Wednesday, June 11th, 2025 here in the uh Pamela Smith boardroom. I call the meeting to order and ask for a moment of silence for the following individuals who were previous MCS employees who've recently passed away. Is Mr. Jerry Plameumber, former MCS employee, Mr. Bill Henderson, former principal at Lydia Milton Elementary School from 1995 to 2002. And most recently, Just a couple of days ago, Miss Denise Gillette, a social studies teacher at Madison Consolidated High School, who passed away yesterday. Uh Denise, believe it or not, has been suffering from cancer for quite a few years and was able to finish out this school year and then recently, like I said, passed away yesterday. And that's just kind of the dedication we have with with these employees and with uh with all of our employees. So, if

we could have a moment of silence for these folks, please. Thank you. Everybody please rise and join me in the pledge of allegiance. I pledge allegiance to the flag of the United States of America and to the republic for it stands one nation indivisible with liberty and justice for all. Thank you. And as we start out with every meeting, we have some students to be recognized. I'd ask like to ask Miss Ruthie McGary to come forward. Is Ruthie here? No, there she is. Hey, Miss Ruthie. Yeah, just to the podium. This is true. Okay. So tell us uh sure. So we for academic Super Bowl English ELA um we won first in state for division two. [Applause] in these. Maybe they're in this one. Sure. Let's see if this is it. Just kidding. Yes, this

is it. Okay. So, our team members are Finley Clayton [Applause] and let me just tell a little background. The these kids had to read um a book by CS Lewis and a lot of poems and a lot of songs and they worked really hard. So, I'm really proud of them. Congratulations. Okay. And I have Ava Clearary [Applause] and I don't think Torston is here. Are you here? Okay, wonderful. Okay. Well, let me say this is Laura Lee CR. [Applause] Congratulations. And we have these are tricky. Uh Torstston Muen [Applause] made it his mission to beat every game that every Quizlet that they put out there to be the number one leader. So it was pretty interesting. And I have Isabella Hendren. Congratulations. [Applause] Okay. You can come down. [Applause] Ashley here. She's here. Hi. Hi.

Yes. Um, I'm Ashley Shurmer and I was the coach of the social studies academic and we had Libby Weey [Applause] and Lincoln Writman. Very proud of them. Congratulations. [Applause] I didn't want to give you a chance to call you back. Hello. Um, I have Mrs. Ratcliffe with me here. Um, and we are introducing the four students who went to state for academic Super Bowl for high school. Um, we haven't sent anyone to state in quite a long time. Um, it's really difficult to get there in the high school division. Um, and our students did incredible at area. And then when they went to state, our fine arts team came in second in their division in the state and our social studies team came in third. Um, so really incredible. Um, and Mrs. Ratcliffe actually went

with the team um, along with a team mom and uh, Miss Denise Gillette. Um, so you talk. All right. Fine. Um, Miss Gillette was the um the coach for social studies. Um, we had two members on that team. Um, so Aaron Hansen and JTH Shop JT hiding out in the back there. All right. So, Aaron was almost a one-man team. JT showed up and uh was there for moral support and helped him out as well. Um but yeah, they placed third in the state. So, pretty big deal. Wait, then we got Okay. And then we had a second team. Um, we had the fine arts team. Um, so Annie Kempton and Paige Weaver. Um, we had a talk of, we learned about Ireland and so some crazy names, some crazy um, artwork that they had

to learn. Um, and things to remember, music to be able to understand when they heard little snippets of music, what kind of music it was or what the song was, um, what instruments were used, things like that. So, um, very challenging. and they came in second at state. I do just want to say really quickly um that we could not have done this without Miss Gillette. Um this competition was like barely a month ago. Um and she went with them like four days. sorry, like four days after she had a procedure. Um, that's just the kind of person that she was and she was a huge supporter of the academic teams. Um, she loved these kids like they belong to her and would put in all the time and the late nights. and she came

to our academic team's banquet 3 days after she had a procedure um and helped set up and helped tear down um just a super incredible lady and we are desperately going to miss her next year. So, thank you. [Applause] Thank you. [Applause] Wait a minute. Everybody's about to get excited. So, wait a minute. It's about to get excited. Get out of my seat. No, I was not. Yes. If we could call our junior high team to the uh podium for their presentation. I see we have several several members here. Warner bummer. Is it almost the perfect way? Oh yeah, we've got a talk in it. All right. Good evening everyone. I'm going to get us started. I've got our two assistants here as well. So, just want to highlight a few things from the junior

high perspective that are happening. Um, so you can see in some of our pictures, we've got quite a few retirees. Um, so that'll be something we highlight as well, but I just want to mention them as well because, uh, as we had that retirement banquet, there was a lot to celebrate. Um, so just want to say kudos to them as they are going to be tremendously missed and very hard to replace. Um, so first off, celebrations. As you noticed already, we were the state champs in the English Super Bowl. Also, uh, our girls 4x100 meter relay team also won state here at track. So, that was a a very big accomplishment. I'm which I'm sure we'll celebrate here soon. Also, some of the other things that are happening for us, our AAA party, um, we

talked about that last year, academics, attitude, and attendance. Um, staff create that criteria. Um, we do have modified schedule for that day as we do have a plan for students that are not eligible for any reason to get some support. Um we have upgraded that incentive. Um so last if you've uh probably heard we took every single kid was around I think three to 400 students maybe even a little bit more. I think we were almost pushing 500 that went to Dairy Queen that day. So we went all the way we were kind of really busy back and forth over that intersection. Um but they were that was a huge help from Dairy Queen. Um but just alone we increased our p our participation in that event by 11% um in a quick amount of

time. students are really uh passionate about that. Um there is a quick turnover as we do those two times every quarter. So we do them right after midterms and right uh approaching the end of the grading period. So I know it it kind of throws a lot at the staff because they've got a lot of grading to do because there is a quick turnover as far as students really trying to qualify to attend. Also we wrapped up our fourth grade 10 transition day as we knew that was a big thing to try to increase the amount of students that are kind of we that have always fallen off. So we had that at the very end of the year. We did that a lot differently than we did in the past. That was a huge

success. Um we had right around 170 fourth graders there that day. Um when they were very anxious and nervous when they came, but when they left they were really really excited. Uh luckily a local business donated all of the locks for students. So every single student got a padlock to take home with them. As we know, lockers are a big anxiety thing. So we sent home a lock with every single one of those students. Uh they practiced on them all day and got locker practice. But that was a huge help and something that the kids are really they got to experience a full day at the junior high. Lunch is always a big selling point for them. So they got to experience a lunch as well. So the last thing and you'll see that in

the pictures we had our I learn incentive. So that's awarded to students who just give maximum effort. So we have teachers go through and every single session if you're doing what you're supposed to be doing um they qualify to attend after you had to hit I think was it 80 or 90% of the sessions they had to give their best participation. And then we had food trucks there. So, we had a a full event, a plethora of things as a tailgate party. We grilled out. In the morning, we did pancakes for all the fifth and sixth. In the afternoon, we did uh hot dogs for all of those students, and those were free. And then food trucks and stuff like that were obviously for purchase. So, for us, goals next year, academic achievement. Um big

thing that's changing for us is our master schedule. So, um 100% of our grade levels will have specific and targeted interventions running. Uh LA, we did that last year in 56. We are pivoting with the master schedule too to embed that into our first period for all seventh and eighth. So there will be a reading and a math intervention time for seventh and eighth grade students who need that level of support. Uh that's a 40-minute intervention block at the start of the day. And then fifth we'll have uh fifth and sixth have a combined uh two 45minute interventions built in for ELA and math. Fifth and sixth schedules mirror each other next year which will be huge especially as we have our gifted and talented students. uh we can mo move together in five six

to have a shared time to get those gifted and talented services that they've not really gotten before. Um finalization of elective pass pacing guides by December. So we're really full steam ahead on our pacing guides um for our electives people. So that'll be something that gets wrapped up here at the middle of the year. And then obviously we're going to move to a new form of assessment tool to drive our MTSS meetings and plan for our PLC time using real-time assessment data. So that'll be something we hit on here shortly in some of our other goals. student and staff uh student and staff uh safety and well-being. Uh we are still continuing our staff member of the month program. We kind of fell off a little bit, but that's something that's a huge priority. What

we do is at lunch, we give every single student in the cafeteria a ballot slip and all they do is write down a teacher to any staff member in the entire building to recognize and then why. And then no matter what, so even if you've just got four of those, you're going to get that. And you'll see them kind of all around our building where people who receive those really feel like impacted by that. So it's really quick. it's easy. Um, we recognize the person who got the most votes from the in uh during that time, but it is just a small little token of appreciation for all of our staff members for just kind of going above and beyond. So, those are all around. As soon as they get them, I think it just

gives them a little bit of pride in their work. U student of the week program. So, we still do that every time during lunch. We uh we give them ice cream and then also red pepperoni has provided us for the entire duration a free pizza for all those students who are nominated. So, we just send that out to the staff. They nominate somebody. They put them as a Google sheet and then we recognize them at lunch in front of all their peers of why uh they're getting that honor. So, it's a really quick and simple thing. All the students really get into it in the cafeteria. They celebrate each other. They kind of clap for them. Some of the kids jump up and and chest bump us and all kinds of things. So, it's a

really good just five minute period uh that we can celebrate those students. The next thing is our new digital hallway pass system. We we imple implemented that the last few uh I'd say probably about two months of school. I think teachers really appreciated that. We'll go in that a little bit more, but it's really helped down on putting uh the teachers in the middle of deciding if a kid needs a break or not, especially on some of our seven period days. Students need seven bathroom breaks. Not really necessarily. So, this has tremendously helped and we'll kind of go over that a little bit later, too. The last thing is staff recruitment and retention. We obviously have a lot of people to replace. We're at a really good spot with that. I think probably by the

end of next week, we'll have all those staff positions filled. So, um the other piece for that is just utilize and review end of the year survey data. So, Ashley did a really good job of giving us some good information that we've already dove into as far as uh feedback from teachers that we've already you'll see that outlined in some of our presentation already that we really find of value and how we can continue to celebrate teachers as far as I think that's the biggest thing. Just little tokens of appreciation will go a long way for that retention or for that retention of staff members. Good evening. I get to present to you a second time this year. So, um now because of a new role. So, all right. So, um just some of those

things that we're doing to um supporting uh and growing uh some our for our students. So, um, and one of the things that we, uh, that was started, um, before I was there was a lunch remediation group. Every day, um, teachers, if a student has an F, um, we'll put in a sheet, uh, if that student needs to go to the remediation room. Uh, and then the staff down in the cafeteria, whether it be an administrator or a counselor, is making sure that those students are making their way down there. Uh and it gives them an opportunity to make up work um that they've missed and get that grade up after um so many five um consecutive days then they it will turn into an after school detention so that it gives them another motivation

to make sure to get that done and so you're not spending all your time in lunch because then you're going to spend some time after school as well. So um and one of the things um that um the junior high started was um with the sources of strength uh student advisory group there's a group that meets each day um and for the sources of strength and they do different things um in the school um some of them being sorry I had it and I um so that sources of strength broken up into five different groups one of them does like um art stuff for sources of strength to kind of get the word out. Um and then audiovisisual is what group a social media group. Um and then that group is also the ones that

did some interviews on things for like from the students and they presented a video and then they're showing those things in bare necessities. So these groups uh and then one of them does all school activities and then other presentations and different things like that. So um so they meet um and not only have they they're doing those things um but they're also getting some feedback as well. Okay. So and that kind of jumps us to the next part but um sorry um so and then those subgroups have um did multiple different things to get the name out there and what they're trying to do. uh they had a kickball tournament in charge of dances, uh drugrevention presentations, anti-bullying presentations. So, that's what those students are doing is they're just helping guide and lead um through

the students instead of us being the ones that are uh and they're always led by a an adult advisor or two that helps kind of create and get those things moving. Okay. Um as well as one of the things that was happening is that monthly student um feedback survey and this is one of the things that um we talked it kind of died off towards the end. Um but wanted to bring back and make sure we really focus on this hard next year. Uh the students completing those surveys to try to figure out like um and and maybe over specific things um about things that we feel like we could grow on or we think that they can bring to us. Um, so, um, they're reviewed by teachers. Uh, then we talk about it in

a staff meeting and then they take all that data back to the students and say, "Here's some things that you guys are wanting to do." Maybe it was a rule that was misinterpreted by the students. So, it's a reinforcement of what that is or this is what it should be uh to kind of get the students back on track or oh, I didn't realize it was done that way. So um and then the attendance review meetings um will continue. Uh it was done by uh coach B last year and we're changing some of his roles. So between uh um counselors and administrators, we'll be looking at the attendance weekly um or daily and making sure that those students are um here and then having um those conversations with parents and students both. U and then

we've seen that there's been some improvements in uh chronic absenteeism um and then avoiding probation. So um and as I talked about in my other presentation at the last one, obviously we're using uh the Jefferson County Youth um um probation department and anybody over so after 10 days then they go on probation and then it gets truly like they have to do certain certain things to get taken off of probation. So, all right, that's all I've got. Good evening, board. Dr. Brown, Mr. Smith, good to see all of you on this beautiful summer day. Um, so we're going to piggyback off a couple things that we've already discussed. I'm going to go away from the mic so I can kind of see the board a little bit better. Um, so the the staff member of

the month, as we shared, it was something that kind of died off. We did it a little bit the first semester. What we're really trying to take into put input here is um the the feedback that Ashley sent out with the various surveys and that we sent out as well and making sure that we're not only utilizing our academic data but also that data from our students and from our staff members as well. So, they're being recognized in their hard work. We know that teaching is asking more and more all the time. And I think as you're going to hear my part, you're going to see that we're trying to ask less and less in one direction with our teachers. So, that's one piece we're going to look into. The digital hallway pass um has

been really beneficial. Um the reason is is that it happens in junior high. You have kids that don't need to be in the hallways when there other certain kids in the hallway. So, that digital system can track that piece and show that, hey, this kid's out in the hallway. You're going to need to wait a couple minutes until you go. It also is, as Mr. Warard said, it does not put our teachers in a bad situation. So, if they're having to say no, they've got our support and the reasoning no. We can also put a number of times the student can be in the hallway. So if we know if a student is in the bathroom more than they need to be, we can put it in the system that they're only allowed three breaks

that day and that's it. We can override it so we're not putting handcuffs on them, but we can certainly give them that opportunity and make sure they're following those expectations. But it's not only a teacher support piece, but it's a safety piece for our students as well um with what's going on. The discipline piece. So, what we really are trying to work on with our teachers is that they're hearing from us after referrals come in as to, hey, here's what was done with that student. Um, they sometimes will send a student or they'll ask us to come down to the room and we kind of saw a trend from us that we weren't following up as we should have with them and sharing, hey, here's what we did or the next day they're like, well,

that student was back in class. What what actually happened? So, we had that opportunity to share that with them. Um, one piece that we've found, thanks to uh, TBRI with Michelle, um, who's done a great job with that piece, is that restorative piece you'll see in there. So, what that means is that we're having meetings ourselves with that student, with that teacher, and with that counselor before that kid can sometimes go back to class. So, if we're seeing a repetitive pattern from a particular teacher and this kid's being sent out, we feel like we need to have a meeting first say, "Hey, here's what the parameters are for this kid to return." And if it doesn't, this the admin will then step in and support that. I think the teachers feel that support that, hey,

we're trying to be on the teacher side while the counselor tries to be that supportive side for the student. Um, on the discipline piece, um, the appreciation, it's just a big part of what we're trying to do at the junior high. Um, like I said, teachers are overworked. I mean, all of us in this building are overworked as well, but I feel like that's getting better and better and less and less every year in the last couple years I've been here. and I try to commend that often in our principal meetings that I feel like we're going in one direction at Madison schools and I appreciate that as a parent. Um, but we're we're really trying to work on those small tokens of appreciation. So, an example would be on Fridays. We've got a great

partnership with The Attic. It's a local coffee company, one of the 80 that we have here in Madison. Um, so what we are doing with them is on Fridays our staff can put an order in and then they deliver it um to us that Friday morning about 9:00. That order is there and it's just a pickme up on a Friday. They look forward to it. It's great. We have some things also with our students. They come in periodically for our students. U they have some some carbonated drinks, some snacks, some treats to come in. The kids do have to pay for that piece. Um but it's just again that partnership that we have and also that teacher appreciation side of it as well. So there's just those little pieces that we're trying to do. Um

leave notes on teachers desk something I do periodically at the beginning of the year and it's one of those things that falls off that I've got to be more consistent with. We saw it in the feedback. We saw it in the data um that we've got to do a better job at the junior high of making sure those teachers feel appreciated. And I think we're starting to to do that a little bit better every year. My last piece and and board you've probably heard a lot about um the acronym PLC's that professional learning community. This is where I I really get on board with what's happening um both as a parent as an administrator at at Madison schools. Um I've been been here 11 12 years now. Um, we've had a lot of directions at

Madison schools and in the last two we've gone one direction and everyone is doing the same thing for 45 minutes on a Wednesday and we're hearing great feedback from our teachers that that time is beneficial. We had a meeting just two or three hours ago on how we're going to make sure we continue to make these even better than they were this last semester. So, we're not happy and satisfied with where we're at. We're going to continue to tweak and make them better. our teachers see that, hey, we get to celebrate at the beginning of the meeting and then when they finish, we have some of these questions on the bottom like name one thing that that made you a better teacher after today and then we follow up and get to that to kind

of start the next meeting. There's just a lot of benefits in this. I appreciate the board that you approved that Wednesday. That's been so helpful. I I think for all the buildings, I'll speak for all of them. And for as a parent to know that my kids are going into a room where the teachers have been working and talking is not something we've been doing in Madison for nine or 10 years. And I just commend and appreciate our our district leadership here on that and for you agreeing on allowing us to have these Wednesdays because I know it's not easy for parents to to cover that. Um but we do have those athletic those student athletes that stay after school. We have them covered. Um we've got the right people. They've worked to make sure

ISPs can cover those. There's just a lot of good on those Wednesdays. We're looking forward to making better. Um Janet's been a big piece on that one and making sure that we're continuing to get better at that piece. So, I look forward to many more years um of having this PLC piece be in these demonstrations. All right. So, future plans for us obviously getting ready to open up as our music production class. So, if you've not seen that, it is really kind of taking shape as far as the construction goes. So students in grades five through eight will have access to this class. This came back off of our student feedback. The other piece which I'll talk about in just a second is the culinary. Um so grades seven and eight will be uh one

semester courses offered as an elective. Five and six students will get in there four and a half weeks and be a rotation. So we are really really excited about that class because as we've been doing a lot of student tours that has been kind of one of the highlights es especially along with our esports class when we go into those rooms it you can't compare that to anything else. that's not something anybody else has seen before. So when we take them in there, they're like, "What is this?" You know, so it is really, really exciting. I can't wait to show that once it's done. Um, again, what's next? So the the next piece for us that's really been in those student surveys is a is a really need and a desire for culinary. We feel

like we we know we're at a point where we can't continue to add staff members. I feel like we have a plan, not this year, but in the future that we can do that in coordination with our health class as well. So that'll be something that's in the process for us moving forward. Uh the next piece for us is the esports program that got kicked off last year for us that we are out of the um the club status. So last year was club status because as a junior high we had to be in club status for the year. Um that is growing to four days a week for us. I think last year we had around 75 to 80 kids involved in the esports program in some capacity. So each night of the week

is a different game. So we are seeing a lot of students especially students that don't really have their niche. This is that niche for them. So, we are really excited about that program as we kind of launch into the competitive status for the state. Um, MTSS meetings. So, we're going to have those as an increased focus on student data sheets and tier our tier one screener that will be starting next year. We'll be diving a lot deeper into the progress monitoring data for all five through eight interventions. We've done a lot with qualifications this year too as far as students that are in honors um and that process. So, the last thing again is that fourth grade student retention plan. We are continuously updating that. really talking next year about maybe working that into the

Cubfest day. Um because we're what we're missing now is the parent piece of that. We those kids come over in the fourth grade day and the parents like what what tell me all about it. So we really know that that's the next piece for us as far as bringing our families on board to kind of come to the junior high after fourth grade transition day to get them involved and be able to answer those questions that they have for us. The last thing too is just the our story here is is just student engagement. So that is a big one for us, especially in the junior high. Often student behaviors are a result of that student engagement. So how do we create classrooms where students are engaged and excited about school? We hit on this

all the time, the learning versus working piece. And then we're going to ve on domains one and three for our teachers. We feel like those we we talk a lot about domain two, which is the teaching piece, but the planning piece for us, domains one and three are really where we get in the nuts and bolts of what it is the kids are actually doing each day. Um, classroom observations by teacher. We talk about that all the time. The the best PD is within our own buildings. We don't need to send them out elsewhere. They can go to their colleague right next door and see what they're doing. And really, that's we I think we take that for granted sometimes that they are just we they're in the walls of their room. I always tell

the teachers all the time, I would be a much better teacher today being a classroom obs classroom observer because I'm getting to see everything that they're doing and I'm taking bits and pieces. And if I can provide that opportunity for our students within our or for our teachers within our building, I really uh the next piece again we know that we got that on our feedback is the student discipline. Uh really focusing on the teacher scenarios and using examples of of teacher referrals to kind of talk about those to see how people would handle those. Um because we do have students that go through so many different classrooms. We just want to make sure that we're consistent with how we're handling discipline, what's a referral, what's not a referral. So putting scenarios in front of

teachers and collaborating on that is something we will definitely focus on during our our staff meetings. Um again JCASP has been huge for us which is our attendance and probation program. So uh that program has been huge for us as just an avenue for students uh that are getting out of school suspension which we try to avoid at all cost. Um but that is a huge benefit for us. Uh the last piece and we talk about this and teachers talk about this all the time is just accountability. um both the teachers and the students have to be provided with data to make those informed decisions and have ownership of the education being provided. Um student ownership and their learn scores that that stuff shouldn't be held from them. They need to know if they passed,

if they didn't pass, and what they can do to continue to make progress. We'll use that a lot with our level one screeners and our checkpoints and and I know I'm going to speak on our ELA teachers that were here. They do a great job of getting that information to them, which is why we see the growth and the results that we're really looking for. Last piece is the again is discipline data. again putting that all together for our teachers so they can review that, see where the write items are coming from and being really focused on how we improve that. Um, and then the lunch remediation success and we Mr. Fry talked about that. I know that's not our favorite thing by any means, but we do see a quick turnover as far as

once students are in there and getting out. The next piece for us is now that we have that remediational first period class, we'll be identifying those students that are in lunch remediation often and how we're in and getting them back into those level of support because we finally now have that interventions for seventh and eighth. Okay, so that's it. That's it for us. Any questions? Great job. Well, thank you. Thank you. Appreciate it. Jordan, you had mentioned something about your new you've lost number of teachers at the end of this year. Pretty much got those spots filled or you feel pretty confident they'll be filled within the next week or two. That is correct. So, I think um as of today, it was an email this afternoon. I think we will be locked in um

and and full. That's amazing. I I think I think that says a lot about about the junior high. I think I know people always want to flock toward a a winning team in a program and I and I think that says a lot about what you guys are doing over there if you're able to to acquire that many interested folks in that short period of time. Seeing him at the end stand and watch proudly his kids as they were leaving um, is just pretty cool. Everybody's very invested in our kids. And last, um, thanks to our board. I don't say this to you often enough, but I appreciate everything you're doing to move this district forward. I you're committed to it. Your heart's in the right place.
