I would like to call minutes next month. We'll have a few minutes to review next month. Um our and just want to mention one thing. You see no superintendent update people update chair update on here because all of the school committee people who have been paying going to MASC workshops and learning about things and it turns out there are a lot of things in our district that we either haven't been doing or um maybe not doing them correctly. So it turned out that having those updates with no specific item attached to them is against over meeting law. So you will see no updates on today's agenda. Thank you Sarah. We're all trying to learn. We're all trying to learn. >> We're going to be so much smarter. >> Yeah. Do you want me sitting up

here? Yeah. Am I allowed to? >> Yes, absolutely. >> There's so many rules for you. Just don't have to talk about stuff. >> Unless asked. >> Yep. >> Yes. There you go. Don't speak to us. >> So asking for those updates and posting them is against >> No, we can ask for an update, but it has to be for a specific thing. >> Oh, okay. >> It can't just be, oh, give us an update. >> Gotcha. Okay. So, if there was something that we wanted one of you to talk about that wouldn't be part of the agenda because I think most things will be part of the agendas. >> So, that's Yeah. Okay. So, the first item for tonight is the fourth quarter update for the 2425 school year. And there's Shannon. Hi, Shannon. I

can see you. >> You're big. head. >> Megan's going to try and turn you up a little bit. I don't know whether you can do anything on your end. >> Megan did it. >> Great. >> Okay, good. >> All right. So, we attached this to um docs and I just pulled it up just in case you don't have it in front of you. Um the overall FY25 were right on target. Um, we did ask school committee to offer an additional 40,000 in school choice funds to help support the budget because we no longer had er funds that we anticipated to carry over into 25 to support 25. We ended up using that at the end of fiscal year 24. Um, so we but we actually didn't need the full 40,000. So, we only needed a

little over 22,000. And you'll see the available budget in the grand total. Um, there's $17,000 left. That's the additional school cho school choice money that we did not use. So, that'll stay in the school choice for evolving fund. Um, so that was really good considering we were thinking it was going to go over uh or be about 40,000 extra we needed and it was about 55,000 or so in ESR that we had originally budgeted. So that tells me we're really on track. Um, and we monitored the funds as well. So I'm really happy to report that back to you. Um, we did our salary account lines ended up at 94%. We have an increase in in some of our substitute times. Um I know it says 107%. It's really only close to $1,800 over what

we budgeted for the substitute. So not too terrible. Um, in our expense lines, you'll see in this red for support services that it's uh a significant amount over and that was due to a student um who we weren't sure was going to choice out of the Pelum school district um and ultimately did choice out. So, in June, we were received that bill to pay um the other school district that they choiced into. Um and it is a student that does have special needs. So, that's why it's more than just $5,000 is to cover all of their special education costs. Um you'll notice right above though we had budgeted um an amount in special education and that is only at 47% use because we had to reserve funds for that student within our district. So that

helped offset the cost there a little bit. Um we were over in facilities which we knew that that was around the new uh gym padding or in the padding on the walls in the gym. a slight overage in our utilities um a slight overage in our transportation um and in our risks and benefits. We did have some changes in health insurance um with staff and that that 45 increase was not just health insurance. Um there were some an increase in Medicare. Um, so we we'll monitor that going forward for FY26 just to make sure we stay on target. Um, but I believe there were some qualifying events in here that increased this. Um, and lastly for 26, some things that I do want to make you aware of. Um being that we know in the

beginning of the year now that that student is choicing out um we are about 15 to 20,000 short of what we budgeted um for that cost. So we're just going to monitor that for now and hopefully there's savings in other places where we don't need any additional funds. Um but I will keep you posted on that during our quarterly updates of how things are going. Um, another thing for 26 that I wanted to share is that um, we have a choice in student who is choicing or or who is an out out of district placement. So, Palum will have to pay the bill for that out of district placement. Um, but because it's a choice in student, ultimately the stu the school that that student comes from will pay the bill. So, we'll see um

the kind of like a wash because the money we spend will also come in from the other district. Um so, I don't anticipate that really affecting the common budget, but because we have to deflect that bill and get those funds, we will need to vote to increase the school choice funds in order to cover that, but we're also receiving that money. So, we're increasing it by what we're going to receive for that student, if that makes sense. Um, and the reason why I have to point this out in Kelum is because the district's so small. So that when we get a swing like this, you can really see it. Whereas the other larger districts, you don't see when these um changes happen as much because the budgets are much larger and um things are a

little bit more fluid there. So um overall though, uh the FY25 budget, I I think we were suess success being that we didn't need to use um what we thought. Um, we added some more money back to the to school choice. Um, and we spent the the budget pretty much in full. And we'll turn it over to some questions. Any questions? >> I don't see any questions. >> You guys make it too easy. Well, you did a good job keeping us up to date. Thank you. >> Thanks, Shannon. >> That's all we need from you tonight. Thank you. >> Thank you. So the next thing I have here is committee view and I put some of the policies up on board and again um you know we have two new people and um in looking

at how we operate I just think it's important for us to look at these things now at the beginning of the year um to remind ourselves what we're supposed to be doing and how we're supposed to be doing it. So um I've marked a couple things here on the first one ethics first. Does anybody have any questions or comments about any of these? No. Okay. I appreciate you taking the time to look at this before the meeting. makes it much easier. Um the the first item there in the first section recogni realized that their primary responsibility is to the children and I think um I I was part didn't well I participated in a a workshop for committee chairs and one of the things that somebody they were talking about budget things and they said

you know you even when you're doing something like the budget the students you know and how you vote But you have to think about the students first and foremost. And I think we do, but it's good to keep that in our heads. Um, another thing I think is really important is that we're a policy making. We are not administrative. So, we set the policies and then it's up to the superintendent to take those policies and make them happen. And at the end of the year, we will then one of our responsibilities is to evaluate the superintendent's progress towards those goals. Um so, you know, we're not involved in personnel at all. Um decisions are all made not with the committee when it's it's about them. Um, also be well informed about the duties of committee

members on both a local and state level. Well, I have to say after being on the school committee for the number of years I have, I didn't do this. Um, and I think it's really important that we do that. I mean, nobody told me I was supposed to do charting the course, which is required by law to do. Um, so I'm, you know, that the MASC website, you know, you should create an account, sign up for the list serve. A lot of what comes through, you're probably not going to keep or be involved in, but it's good to see what people are talking about across the state. And then there just there are a lot of really good resources on these website as well. Um, something else I think is important to remember, I I

don't have children in the schools anymore, but if you're a parent, I think it we have we have to remember we have to remember that if we're in the school as a parent, we're a parent. We are not representing the school committee. We are not asking for things about the school committee. We're there as a parent. Um, And if you're communicating as a parent, if you have an email address that's not your ARS account, that would be the appropriate use to communicate as parent. Um, oh, this down in section to recognize and support the administrative chain of command. Um, and I think that's another thing, and we haven't really talked about this before, but what do you do when somebody asks you a question or or wants to make a complaint about a teacher, about

something that's going on? And I think well, and Dr. Z, you please correct me if I don't get this right. I think the first thing is is if it's something that should go to a principal, you draft it to the principal. And if the principal needs no direct it to you. >> Okay. >> I think the the way the policy works is it comes to me and then I direct it to >> Okay. That's how it works. Okay. >> If it comes to you as like you're a school committee member, you do something about this, right? It's go back to whoever the next person like it's not for you to manage, right? You should let your superintendent know and then your recommendation to the other person should be well did you speak to the classroom

teacher and oh right well then you should speak to the principal like they're you are not a person who can manage whatever that is for them right they need to go to the like through the chain of command and sometimes people forget that part right so if you're having a problem in your classroom you need to speak to the teacher if that's not working then you go to the princip you go to the superintendent But at also you are you know the superintendants like part of your job is to work together with them and so as professional courtesy and say hey Dr. the heads up. I've heard about, you know, this thing that keeps coming up. You should know about it. No, tell me all the things. Not you must report this back to me.

Just I have heard some information. I'm sharing it with you. Now, you know, >> does that need to go through Margaret or >> Well, Dr. Z and I talked about this and it would be good if you just CC me. I don't need to do anything, but I also >> would like to have the heads up so that I don't hear it >> down the line somewhere. So, I would just ask that you copy me on those emails. And it also helps our agenda planning because if it's something that keeps coming up then and it needs to be discussed at the whole committee then Margaret is aware and she can say okay at this point it's been because we learned that if it becomes an issue repeatedly and it's not being fixed on time then

at this point it's something where we have to bring it forward to the whole committee and then it becomes maybe an update item for the superintendent to provide an update or the principal to provide an update on the situation. So I my kids are now at the high school so I'm much more likely to hear things about the high school but tell them that this committee doesn't speak for the high school. So what do I do with that? >> I welcome it. >> Okay. I welcome it and you can CC market and the regional chair just >> that's what I was wondering. So just let them know and we did release um you know and it's discussion time. Just want to have you aware. We did release a communication guide for parents. We sent that

out and we will reiterate. We went up with a caregiver guide. So just letting everybody know like hey step one, hey step two, hey step three. Hey this is when you feel like you haven't like and at each point document it, write it down, email the superintendent. It can go to school committee. So we base that off of policy K I K. >> I think it was K. >> K. Okay. Yeah. there's a lot of policies going on. So, so, so yes. Okay. >> I was just gonna say I totally bust what she said. Um, but in my experience, I would advise whoever is talking to me who to go to. >> And then if I felt that it was something, then I would go to Dr. Z. If I didn't feel that it was

something, which many times I don't, then I wouldn't Dr. Z. And I have not moved my chairs in typically, but I can do that. >> Okay, great. Thank you. Um, guess that was those were my notes from that sheet, but I didn't put these in the right order. I think I should have put the school committee powers and duties. And I actually found for people who are on the policy committee that these two policies have kind of some of the same thoughts in them. So, I don't know when they might end up on your your agenda. I know you have a lot of work to do. Um, but again, you know, we develop the policy. Uh, we evaluate and appraise. Um, the budget is one of our three primary responsibilities. We're responsible for passing a

budget for the home school that's responsible and serves the students as best we can. Um, this thing about public relations. I think we I think that may come up in another thing that I want to talk about tonight. And then of course the superintendent evaluation. So I don't know. Does anybody have any comments about either of these policies? Okay. Um, so what are the next? Oh, okay. Review operating protocols. So, you'll see this sheet got two slides on it and it's this came off the MFC website. It's a sample of a list of items that a committee might go through and see where they think they need um things to be done. Um, what I would like to do with this is just have you take this with you and we will put this on

another agenda. We'll bring it back and put it on another agenda. We didn't do the retreat. So, I'm trying to bring some of those things in to meetings and we'll do the best we can and in the spring we will do what we're supposed to do which is our goals. So, if you would work on that and I think I think you'll find a lot of these things you're going to go I don't think I don't think that's something we need to do but I think that we might find some things I know we want to talk about. >> So, sorry. So, the ask is just review it and sort of make note of things we want to talk about. >> Yes, that would be great. And I I guess it would be good if

you could send them to me before the next meeting and I'll put them, you know, sort of make another list and take out extraneous materials. We don't have to go through the whole hopefully there's some extraneous material. Um, okay. The next item, educational goals for elementary school. So, Dr. and I talked about this and this is another one of those cases where we all didn't do what we should have done which was make goals in the spring. Um so what Dr. and I talked about because she has to do goals for herself and for her staff and that if we could have a discussion tonight of that would give her some idea. I we're not going to write goals and vote on them at some point. Maybe we'll do that. But I think that for

tonight is just to have some discussion about what we all think would be good goals for this coming year. Do we have goals from previous I'm sorry. Do we have goals from previous years to look at? >> No. >> Superintendent goals from last year. >> Yes. >> Okay. I just want to clarify are these so we're supposed to as a committee also do self-reflection and do our own evaluation which we've never ever done in any committee before. Right. >> So are these I'm very confused because I feel like these goals are goals for how we want to work as a committee. >> No. >> You're talking about goals for Palm Elementary. >> Yes. Okay. Because >> so goals for Palm Elementary. Would we not want to bring up the improvement plan? school improvement plan and

look at that so we can base what our goals are based on the school improvement plan. >> This is the kind of discussion that I was going to have. >> Okay. >> So I would like to have if there is one available which I think Pelum is on it. So I think there is >> like ahead of the game. >> Yeah, I think so. I so that would be a useful tool either to have the school improvement plan and I don't know if a brief conversation about what it looks like the school improvement plan for dummies so we could then roll with >> so so a goal would be that the the school improvement plan is typically multi-year correct >> y so the goal for this year would be to present the new school improvement

No, it would be for us to set our goals based on that. >> Yeah. >> Oh, there's already goals in there. Yeah. Yeah, that's what it is. Okay, >> that's my opinion, but Dr. Z, you have something else. >> Um, so I was going to say two things. The one thing is that I actually think that not just the school improvement plan, you should actually if so you should review the data. The idea is what do you what do you want Hel Elementary School to operate as to be? So looking at student enrollment, looking at school choice, looking at academic performance, um the data that was presented last year on I Ready, um sitting down and talking about what programs are are being offered. It's really to say how do you at the end of

this school year what do we want to be able to say happen at what is achieving and where where it is. So those those goals are one year, right? And you're to operationalize like I keep thinking back to what Tracy said. You have your committee goals, but then you have the district goals of this is how I want the district to look, to operate, to function, to meet. And so that's that's what Marvin and I talked about, not the committee goals. How do you want Pelum school district to operate? Do you want the students in third grade reading on grade level? Do you want to see a a a unique programming to start to increase school choice numbers? Do you want us to review the budget to be fiscally sound? And so though, you know,

putting I'm just saying all of the things. So the school improvement plan was developed with one set of mindset, but also looking at you have that as one tool. also looking at what is the data saying our kids are currently at. Also looking at how are we operating financially and fiscally and then sitting down as a committee and say okay we want Pelum Elementary in the next year to look like this. This is our goal and then I can take that and say okay this is how we offer this is how I would create goals now and say and present back to the school committee and say these are the key things that I've received or you've received in terms of meeting the district goal for the year. Rachel, >> two questions. I see this

is called educational goals. It sounds like you're talking about that there's there's and it sounds like you also were pointing to there's different goals, but educational goals I'm assuming is just about education and the school, not the finances. Is that incorrect? Well, >> I think maybe that was not a good word to use, but no, >> and maybe that's just what it's called and not what it actually refers to, but that would be helpful to clarify. And it seems like it would be helpful to have I know we did not have a retreat in August, but I am wondering if we need a longer meeting to like really dive into this content at some point. >> Yes. And that's actually when we get to agenda planning, I would like to talk about that too. >>

And question I mean Dr. Z. So it sounds like if we could talk perhaps in general terms tonight, but if we want to have something as specific as we want this grade to be at this place, we're going to have to have the data right >> in front. I mean, I know we received data in the spring, but We're maybe going to need a review of data and I guess that might include MCCAST data and the I ready and I do we have are we using anything for the reading assessments now >> it's a new one and it's also called ready. >> Yeah. Okay. and even like the bullying reports and the school improvement. There's there's so much data that you have >> to have, you know, similar to the last September school. >> Yeah.

I just wanted to clarify for you Rachel um on an MS website where we talk about roles and responsibilities school committee establish and periodically review educational goals and policies for the schools in a district. So you kind of are part of it. >> Okay. So it's not just about education >> as as I might be thinking. >> So we have it was adopted in 1983 but we do have broad educational goals >> K12 >> is policy ADA. >> So I think we should look at that policy ADA. Um, and there are some on here that say region and I guess some that aren't. I haven't really looked at it. >> Um, >> but maybe that's the educational goals we're talking about. >> Yeah. But it's all about education. It's not about finances or anything else.

These broad goals, >> they're very broad. >> Yeah. And I I would like to throw in something about the budget. Um I think I think it's really important for us to understand uh the budgeting process, where the money comes from, how it gets figured out, as well as how the school budget fits into the town budget. Um And I and I have when we get to the agenda planning, I I'll tell you what I was thinking we might do for that. Um but I think that also has to be a piece. You know, we rely so heavily on school choice. Um we have pretty high special education costs. Um I don't know But I think as committee members, we need to understand more about the budget, especially as we're trying to figure out what's going

to happen with school over the next 3 to 5 years. So J, >> related to that, um I never know what to do when I get these emails about warrant reports. >> Oh, you don't have to do anything. >> Okay. I sign those >> and that's just you saying yes, we can spend the things that we budgeted for. >> Okay. >> This was supposed to happen. Yeah. >> Oh, >> after everyone signs it, it's supposed to go to the whole full committee. >> I thought it was I thought we only had to have one person sign it. >> We only have to have one person sign it. That hasn't been switched over. Um, so there's still three of us signing it, but then it is getting emailed to everyone. >> Okay. >> All right. getting

there. >> The two of us do not have to sign it. >> Okay. >> Actually, whoever you appoint, one person could sign it and then it has to be emailed to everyone. >> Okay. >> We're currently it's three people signing it, which is like not bad, but doesn't have to. >> Okay. >> And then it emails to everyone. >> Okay. Yeah. I thought we were just down to one. I think it's probably because I see usually see them first. >> You get them first. >> Yeah. >> So, it's good to look at them. you'll get some sense of the regularity of standing and you know and other things in there. So I think >> okay >> and then it is supposed to go on our consent agenda. >> Yeah. >> So to the public. >>

Yeah. >> And they're all there a long time to put since June. >> Yeah. >> June. Um okay. So, um, any other thoughts? Dr. Z, >> can we, um, can I ask the committee to consider tableabling the educational goals to another? So, we have the presentations. >> Yes. >> And then probably in our next meeting, we can organize the presentations for the committee and the different areas that they've asked for so far and like district updates and have the discussion. Yes, >> I know that's amazing. I just want to ask suggest that. >> I mean, it sounded to me like we were having a pre- discussion, right? >> These are things we should talk about. We would like to know about >> not make choices, >> right? So, anything else before we go on to

>> I I would say is there a I thought there was a gap in one of the curriculums for sixth grade. a gap in the ELA on there. >> Was it was there I thought for I don't know if it was math or something, but I thought it was like they were doing a certain program, but it was only like K5. >> Yeah. >> And there wasn't really like something for six, but y'all were doing it. I mean, you were doing something. >> I would say like for the for the goals to have clar clarification of that. >> What that? >> Yeah. Sorry. >> While we were talking about things, I thought um um how the school support and engagement liaison position worked. I thought that was fantastic last year. It seemed like it was

great for the kids. Um so if we're talking about future goals to have that incorporated so maybe we can have some of the data and information from that too. >> I think about all the school support positions even would be helpful. what all what all exists in the school >> and then I was going to say whatever the after school looks like >> that's not ours >> is that totally well it could be right but not okay I knew it was an outside service >> I mean so we could host our own after school we would just have to build a program >> in a budget but right now >> sorry >> okay >> right now we don't it's it's um we contract >> I knew it was outsourced but there was talk about it

not being outsourced Okay. >> So, um >> I think Dr. Z between us we have some notes that we can >> start building your presentation. >> Yeah. Okay. >> I meant like all of the like therapists and whatnot that exist in the school. >> Okay. >> I I heard you saying them. >> Oh, okay. Um, so we have we're going to go on. Um, we have no gifts or donations. The warrant reports are all on there. Um, the last thing >> we have to do. >> Oh, I'm sorry. Thank you. Is that >> I was saying point of order because I think we have to vote on the consent agenda. So it's just >> the I don't think we have to. >> Our our future selves will be better at consent agenda. >> Do you

want to explain what the consent agenda is? >> Yeah. So the consent agenda is things you anticipate. Um they are, you know, pieces of business that have to be managed, but things that anticipate like no discussion and just approval like the warrants that are already approved, right? So warrants that have already gone through so you can see them um minutes if they don't need edits. Um so it's, you know, part of rather than you know I move to approve the It's just one block item. I move to approve the consent agenda. And then >> So question, if it turns out you have a series of minutes and one of them needs an edit, do you pull that one out and leave all the others in a consent agenda? >> Yes. Someone can ask for individual

items to be pulled out. >> Yeah. >> All right. that >> we pulled out all of them. >> There might be other. >> Okay, >> before we go to the last item, did we talk about the policy subcommittee? No, I'm sorry. I skipped over that. >> Okay, >> that was what Dr. Z was reminding me. So, um I'm going to let Sir would talk about this. >> Oh, okay. So at the region we talked about was it previously we have re we restructured the policy subcommittee. So it is a joint policy subcommittee of Ammerst Ammer school committee school committee and the region because our policies are individual technically and voted individually but they are as we are operated by one central office they need to work together right um so in that which my experience

you know not on that subcommittee but the how been operationalized at a larger meeting feels really successful to me. Um, and so at the last regional meeting, we discussed doing the same for the superintendent evaluation subcommittee and making that a joint subcommittee. Um as we as the three communities work together to have you know goals that are not necessarily the same but align with each other and that the tool that is used to do the evaluation is the same. So, in order to build all of that together in a way that works for all of the committees and all of those of us that either are completing or receiving the information from it that to have that be a joint subcommittee as well. Um so what was proposed and approved at the regional level which

is you know awaiting approval from Telm and and Ammeris now um is the same makeup as the policy which is two from the region one from Ammeris and one from Telum um so that is what I would like to suggest that Helen does um so so that's how that that came about Would you like to make a motion and then we can discuss it? >> Yep. Let me see if I Hold on for one second. Let me see if I can find the language um we used at the regional meeting 29th. >> Yeah. This is true, but I still Yeah, >> I didn't take official looking, but I take a lot of typos. Um so move to make a joint superintendent evaluation subcommittee including two representatives from region one from column and one from Amherst.

>> I second. >> Thank you. Right. Discussion to me. Just curious, does the two from the region mean like Shootsbury and like or it can be anyone from? >> It could be anyone from >> any two people from the region. Okay. >> So, Pel would only need to choose this one person. Okay. >> So, would you tell us what who currently is on the policy? >> No, this is not policy. >> This is different to the evaluation. So, the district the region put on >> me, Deb, and Tim >> and Tim. >> Okay. So however that will have to be >> we can't have joint till everybody agrees that we're going to be join so it will >> not change to two >> two from region >> right >> we didn't want to change who

decided to cut out the region >> at that meeting so we selected >> and who was the >> previously it was Anna it was Tim Sarah and Deb >> now it's Deb Sarah and Tim Tim, >> that's who it is now. But previously it was Anna, it was myself and it was um >> but then removed himself. So then Sarah Marshall stepped in. >> Okay. So what we have right now is >> and I do not wish to be on just to put it out there. >> I would I would love for um I I would love for Anna because she's the one that really had all the institutional knowledge. She's not currently on it, but I think that would be a good person to >> So I guess so Tim from So we have

somebody from the Amoris committee, somebody from the region who happens to be the person from Leit. Um we have Sarah who is on the region but from Pelum. So yes, the question is do we want to put another person from home? >> Those three are not same. >> That'll be >> we'll have to vote on the region >> to do only two. Correct. >> After the after we and Ammer's vote, >> correct? >> Then you're going to have to >> cut it down to two. >> Okay. >> All right. Let's vote. So right now we're just voting on >> one person for column. >> Well, right now we're just voting on the >> sub. We're voting on the new structure. >> Correct. The chairs actually have the ability to self. >> You just you can

appoint someone. >> Okay. >> We don't have to vote on that. >> All right. >> We do have to vote on what's right or what is on the table on the table. >> Right. So we are going to vote to make this a joint subcommittee. One person from one person from Ammerst and two people from all those in favor is unanimous and I guess I will say more to come. >> You can appoint you should appoint someone now or ask our opinions what you want to do. I I really respect Sarah Best. So I would I'm happy with her. I also would be happy with other people if they want to be on that role too. So I myself >> give us an idea of how much meeting time it requires. I have no idea.

>> So how much in the past it has required Anna >> did a lot. So, we used to have someone that was Debbie West Morland and she would coordinate it all. And so, for the last two years, Anna and myself have coordinated it all, >> but it's been more her. So, it's been a lot of computer time coordinating. Um, I mean, she probably spent 10 or 12 hours probably figuring out the system. I think we maybe had three meetings, maybe four at most for the year, >> like close together, right? >> Yeah. Like for an hour long, you know. So we do have some meetings but it's not heavy in the meetings but we're not a system that is working right now. So it is going to require some upfront time to get the system

better working. >> Okay. >> So are you proposing Sarah for the region or for >> Yes. But you are proposing Sarah best for >> I I I like Sarah best repellent but I also would be open if other people feel like they have an expertise in this I think that may be a better fit too. So I don't know what the expertise of the two of y'all are as far as like working under the desi evaluation system. >> I don't know my way around >> we have a lot of work to do and we need to do it now so that our superintendent knows >> to do a lot of >> congratulations. Sorry that I skipped over that. Um, and thank you. >> I'm just going to say something right now, too. And this has

to I mean, I guess I could say this would come under the operating protocols on the agenda, and I'm not going really off the agenda, but you know, with the larger group of the region, they're very careful about making sure that people put their hand up, that they always address the chair. We have taken a little more casual attitude in Pelum and I think it's worked. We haven't had anybody who is trying to dominate the meeting and it seems to me like this works okay for us. So when we're talking about operating protocols maybe keep that in mind. How do we want to do that? Um okay sorry I missed that item. >> Um can I ask one more question? >> Yes you may. Do we also where are we with the policy subcommittee? Do

we also have to do anything around that if that's or do we already do that? >> That's already been done. So you're representing column, >> right? And you're representing the region. >> The region. >> Okay. That's already >> Okay. So, sorry. >> I was asked because our calendars are filling up if you can please have the dates and I said last year and then you prefilled my calendar with the date. >> We did. Yes. >> You did not prefill my calendar this year. >> I have not yet. No. >> So, my team and I would like to know what dates. >> I wasn't chair for a while and now I am. It was a little confusing. >> Yeah. And I dropped my daughter off at college. >> So, now I'm back. >> Okay. So the

last thing in here is this is under future agenda planning and um this is also something we have not done in the past and I'm going to again tell Sarah best thank you because she sort of took this from uh when she went to the annual MAC conference I think is when she sort of started to work this up And um this is a draft. This can change, but I thought it would be good to have for all of us to have this and as we may want to change things as we go along that there are some consistent things in here. For example, you can see when the budget updates are going to be um the district calendar. Well, there are some things on here that are going to have to be joint meetings,

which means we're going to have to have more than one meeting a month. Um, and often when they're joint things, we don't have to be there for it. Usually ends up being at the same time as one of the other well regional usually they meet twice a month. So, um, so I tried to note some of those things on here as well. Um, and I wanted to talk about future agenda planning in terms of the budget and what I'm hoping we can do. And um, I would like to have Tracy Norbert from Akascal budget. Um, she did one for the region last year. Um, I mean she is a budget wizard. Um, so what I would also like to do and I and maybe do that in October, but I would also like to ask

John Tricky from the finance committee if he would come after we get the budget presentation from Tracy um if he would come to a meeting and do a brief presentation about the school committee budget in regards to the town budget so that we can understand where fit um in terms of the town because when it's time to deal with the budget questions come up from people in town. So I think it would be helpful for us to do that. So question I have for all of you because I I think if if we're going to do something with the the uh goals next month, I don't think we have I think trying to do that along with the MAFC budget presentation is too much for a meeting. So I'm wondering if you all would be

willing to have a second meeting sometime in October and I will see when Tracy is available if she can come in October which I hope we give her enough lead time she can come. Is that something you all would be willing to do? >> Yes. I'm guessing it would probably be hour and a half, maybe two hours maybe. I think her the chap she the presentation she did at the red region is called 70 on chapter 70 minute presentation on chapter 70. >> Yeah. Okay. >> All right. Just October 7th maybe is already a day we have October 7th is a holiday. So that's a tough day. A Jewish holiday. That's the only Tuesday in October that's our >> Okay. So, would it be best to try and get her for it? But it can't

be when the two of you are at region, but so that really only they use one Tuesday. I think maybe see when Tracy is available and then we can >> when I last time I spoke to her about doing things for the region, she gave me like >> three or like four dates that she was available and then we were all able to pick what >> Yeah. I could do a >> Yeah. what works best. >> Is it is there any advantage to doing a retreat versus not for that? >> I mean I I think we're great to have that conversation with Tracy. My suggestion would be to talk to Tracy and tell her all of the things you want to do and >> she will >> that's a change for me. >> Okay. >>

She's very very knowledgeable. >> All right. But I think so for October for our regular October meeting um that's the time that we usually get an update from Nikki on things like enrollment um staff members. I would like to know the number of staff and the names of the positions. Um um and maybe there would be some other things but I'll let you know. Um I have to run to another meeting in a moment but CPAC requested joining a meeting in October and November. So I wanted to just say that you you will hear more. >> Okay. Yeah. >> Yeah. I responded to them. The chairs will have to coordinate because they want you to join meeting. >> Got it. Yeah. >> Um Okay. So I think um we'll have a presentation from you and

also I think we've usually done we're going to put goals on talk about you think you need to be ready to come back and talk about >> some of that. Okay. And now put that out to another date. Sorry. AMS. I read I read MSC and said all right. And then a question I have the superintendent presentation of the school system which is policy CM is that policy will already met with um the EDS and we kind of looked at the regional agenda and I think I shared by email right so um we're just the next step is to kind disseminate who's responsible for what and how do we get the information back together. So that's what we're doing for the team. So we should be ready for everything. This really helped us. That's why

Shannon was able to pull Q4. She's already pulling Q4 for region and for for Ammer. So it really is helping us to pull out as a district and be prepared. >> Okay. So that could potentially be another joint another meeting in October. That's going to be a joint meeting. >> All right. >> Question. >> Is the collaborative representative and do we redo the representatives each year? >> We do. >> We did for that the region I thought last >> we did that when we reorganized >> we do it in the spring. >> I think we did it but I can't remember. have to go back. >> I'll look at I'll check the >> I think you did because you talked about the sandwiches and >> Yeah, I was trying to figure out who was the

collaborative person. >> I think it might be >> me. >> Okay. >> I'm still getting emails from the founders. I just wanted to >> figure out if I needed to. >> I remember that cuz you were stressing really nice. >> Yeah. >> Yes. And they're four times a year, three times a year. >> No, they're every month. >> They're every month. Were they I did that >> the co-op is every every month. Yeah. The last Wednesday of the month. >> Okay. Well, we will we will get the >> Is it me? >> I think it is. >> But I I'm not on the region anymore. That's trying to convince. >> I mean, I don't I guess do we have to wait till the spring again? >> No. It feels like you wear a lot of

hats. So >> I do wear a lot of hats of one of them. I would take it >> is virtual or in person. >> Okay. >> We could revisit that for a future future. >> Yeah. >> I I'm on the seak equity task force and that also meets the last Wednesday of the month. >> Right. So remember it's a complic complicated. >> Yes. >> Okay. So for next month, we're going to have a joint meeting with the presentation of the school system. We are going to at a regular meeting talk about goals and we're going to get some data from Nikki um about things that I mentioned and maybe some other things. and we will have not a regular meeting. Um something about the MAC presentation on budgets and that could probably even go in

November. >> That's what I was wondering about. We already have two October meetings. >> Yeah. >> And November looks really late November. >> Yeah, I think I think that's a good idea. Okay. All right. Anything else? >> We just have a slew of policies, like 29 policies, I think. Um, so they're going to have to be joined. So, just >> going to have to have a >> Yes. But I have to have a conversation with the superintendent first before we do that. >> Okay. I just want to say the the chairs are working really hard to try to get information out to people so that if there is something besides the regular meeting you can get it on your calendar and it cannot be you know a week or three or four days ahead. So

we're trying our best to do that. All right. I move we journ. >> I second. >> All those in favor? All right. Thank you everybody. Thank you. Thank you.
