all right um welcome to the meeting margaret thank you thank you for uh to anybody who's watching thank you for being so persistent um i'm gonna call to order this meeting of the superintendent's subcommittee evaluation subcommittee at 6 55 on may 6 2021 um so the agenda for tonight is just to go over um the process and also the timeline for the evaluation of dr morris this year and hopefully kind of firm up next steps and what we need to do and i know um you had some concerns not concerns but i know you wanted to bring back some information to pelham and um right we're not meeting till the 19th so okay good so one thing i brought up and let me share with you [Music] the link um okay if i put this

here is the um this is what i have is the working um set of superintendent goals for 20 20 20 21. okay so i think that's important to have on hand and then i thought maybe we could just bring up the calendar and kind of figure out what the next steps are and how to fit them in okay but did you have anything else that not really um i mean we did talk a little bit about that um that superintendent morris would present that artifacts at a joint meeting on june 15th i mean that was and then we would vote on june 29th so i guess we work back from that maybe yeah and i didn't bring it up in the meeting because our meetings are going long enough but i'm actually on vacation on

the 29th sometimes what maybe i'll join the meeting just for the the vote and if it's if it's short i think i can make it work but um okay we'll need to coordinate with um with allison and or chairman donald and the superintendent okay um right so if we have june 15th as the presentation and then the 29th that'll give so when the the only other thing i think we need to do is decide on the format and just as you know i had a sad conversation with with dr morris he seemed to be comfortable i did not see any reason not to go ahead with using the standard that we've used in the past which is the survey monkey you've been on the committee long enough now that you've had to yeah yeah yeah

lucky instrument now in the past i've worked with sasha to just because she has access to surveymonkey and mm-hmm well and i've just worked with her to kind of create it in in surveymonkey so she'll take the goals and then the pieces of data from the linked in that um okay i'm going to switch over to the window with the document in it so i i can still hear you um [Music] okay so if you go to the link at the bottom of the document there's that rubric and that's how we what we use to kind of put in she'll bring over all those definitions from the rubric and then we'll have okay which rubric is tied to which which which section which section rubric not yeah okay standards and then um there are four

different standards and then under each standard there's a different um um and i think this was accomplished i wanted to double check but each standard needs to be tied to at least one goal so we need to make sure which i think has already been excused in the document it looks like like standard 2a3 and standard 4d1 and then the next one is standard 1a3 so it looks like that's already been done right so it's just i think so i think we're that's what in the past i've had to make sure this has been done um at these subcommittee meetings but i think we're in good shape okay um i mean we may want to just double check make sure it all coincides with the rubric exactly um okay and then create the so when

so would palum wanna i mean do you s well see any issues that pelham might have that we'd wanna so i think the the committee will be the same as it is this year because those of us who have to run again are not opposed so sarah brenda barlow and i are all running again and the other two people aren't up for elections so so everybody will be doing it we won't have anybody new so we don't have to think about that and i guess at the meeting on the 19th i could introduce these two documents to people just have a chance to look at them before the presentation in june um is there anything else no i guess the question is in the past we've sometimes have voted on the instrument like we've looked

at a copy of it and voted i don't i don't know if it's enough for the if because the instrument's going to be the same goals are the same yeah if we could just have that as a regional meeting and okay i don't know i mean if pelham feels like it is vote because i know amherst has another meeting um on may what was it is the region meeting on the 18th and america's meeting on the 11th my thought was that maybe if we needed to we could have a vote on the on the instrument by the 18th okay and we could do it in pelham on the 19th okay i mean amherst has a meeting on the 11th but i'm assuming the next one's going to be june early enough in june that it'll

be fine and even if he presents the we could even vote on it right before he presents the true as a joint thing yeah because it it's not going to influence our evaluation it's just all of us agreeing that this is the proper document to so this is a good way to do it actually wait no it's not a good way to do it sorry i'm going to catch me because we're going to need to use that instrument immediately so if there are any changes it wouldn't give us enough time to fix it okay so why don't we do the region and and pelham and pelham and i'll see about i don't know what our next we forget the calendar for amherst yeah i don't see whoops i'm going the wrong way me i don't

see anything after tonight on the calendar on the district calendar are you on the arp studio i'm in may and i i don't see anything after today for me i don't see anything in june yet i swore that we we talked about having a meeting on the 18th we did it may just be that it's not in here yet yeah so then this may not be the all right reversed yeah i think the next meeting for amherst isn't until june but i'm not sure exactly which day in june it's going to be if it's going to be meeting or if it's going to be it might be on the 8th okay but that's fine because that's a week before before the presentation of the before mike's presentation great so why don't i i can coordinate

with sasha okay about getting the instrument drafted and i think the idea that when i talked to mike it was just he's going to present the artifacts as he's done in the past but it's probably just going to be a little like it's going to be a lot more extensive than it was last year where it was a one page but i think this year it it won't be necessarily like the 20 plus page document that it's been in the content even going on um okay i think i didn't do any of that i i hadn't been on long enough to do one before last year right so in the past produced like multi very long um documents with multiple like hyperlinks throughout the document bringing you to examples of the work that he's been

working with work of the school district and and particularly the superintendent and so it was often very extensive along with a narrative description he did so i think we're hoping to have much more than last year but probably more like under 10 you know 10 pages or less okay even longer so that was fine with me but it's yeah that sounds i'm sure that that'll be fine with him too all right all right so then i think that the two things to work out are making sure the instrument is um completed in time for a review by the committee and then um i need to figure out what i'm going to do about the fact that i'm not going to be present on the 29th okay i'm assuming i could still review it just i

wouldn't be able to actually have a vote so um we'll we'll see if so last year did allison put together the summary of the what's going to get voted on did alison put together a summary of the seemed to me like there were she picked comments out from each person and she sort of summarized things will she do that again that's how it's been done in the past so it's always been um where the chair of the committee with the vice chair put sticky summary of the relations and it's been nice to have that um that done ahead of time so that's why we need to make sure we leave enough time be between that do that right okay well if we go from this 15th the 29th that's two weeks yeah so hopefully that

would be good so we just need to make sure that the people who are doing the evaluation and have only you know they do it immediately pretty much within the right so maybe we need to say that maybe maybe so what 7 and 15 22 so say that the the the evals have to be done by the 22nd yeah that sounds good okay that's that's one week and then that gives a week to do the summary all right so i'm gonna when when pelham meets i will have the the link for the document that you you shared with me just now and also the instrument so people can see it because there are two people who've never done one of these so they may have questions so that will be good so i'll do that

on this month on the 18th and i'd also think towards um on the deci website there are some important or not helpful um videos talking about the evaluation process i don't know if you've heard this before but they actually feature some of our former region and amherst um committee chairs it's kind of fun look for those i don't think i saw them last year let me look for them and see if i can show them to if if you have trouble let me know and i will i will let me go ahead and try and then if i can't find it i'll get back in touch yeah i think it's on i believe that they were produced by jesse okay almost certain if not maybe it's masc but i think it was jesse okay well

i can look in both places yeah all right it looks like you're taking notes margaret are you if you are how would you feel about summarizing them in in the minutes for before the meeting that i i did i am oh let me come back to the screen yes realize that after that yes i was taking some notes i mean there's not a lot but yeah i'll type that up and then what do i do with it just send it to me and sasha as well and we'll post it as uh as the minutes for the the meeting um there's i mean the nice thing is there'll be a recording of this meeting but right the minutes well they're not going to be that long and you know what i could do is i could

put the links in that in the minutes too okay all right it'll take me a day to get to it in the next day or two nervous at all okay and all right that sounds great so you're going to make sure that you're going to work with sasha on the survey monkey piece and make sure that the instrument coincides with the rubric okay all right and then i'll do the minutes and i will take information to the pelham meeting and you're going to take information to the amherst meeting and then we'll also bring it to the regional meeting on the 18th yep that sounds great sounds pretty straightforward yeah i think so i don't think there's a lot to i think we've got a good process going so okay yeah that sounds great okay good

all right at 7 10 i'll call the meeting to a close and i'll text sasha just to let her let her know okay that's great all right all right carrie take care good night soon bye uh you
