Uh, the Ash Public School strives to be a model district that creates a culture of inclusivity for our diverse students and staff who feel supported, safe and supported, are empowered with the academic and social emotional skills to pursue their chosen path and to embrace their roles as positive contributors to local and global communities. Uh, order of business tonight, uh, opening procedures, uh, reorganization of the school committee after uh, the elections from a couple weeks ago. Then public participation action items include uh establishing the Cooper family Ashlin math educators fund appointment of the superintendent to the board of directors for the accept collaborative for the 2627 school year
002removal of rec uh regulation AD 1.3R2 assistant superintendent for curriculum instruction assessment job description an appointment of a school committee member to the initial assistant superintendent search uh reports and presentations include warrant approvals superintendent report consent agenda approval of gifts and donations minutes of the May 13, 2026 um school committee meeting and then reports and to adjourn. So uh first thing we need to do however is to reorganize the school committee. So, we've had a family uh whose long connection here to Ashlin. Uh you'll see within the documents that that we've shared with you. Um they would like to create a fund called the the Cooper family. the Ashlin Math Education Fund with the purpose of funding math teachers for any educational supplies needed, math programming for
006students uh and teachers, um math clubs for extracurricular activities, uh and to establish um a scholarship for graduating students who are planning to pursue a math education career. Um the family intends to start uh the donation with a $50,000 amount. Um so we just need to set up this fund um in order to accept the donation uh and then to be able to disperse it and determine how the funds will be used uh by our faculty, staff and students. So there'll be a process for uh requesting the funding um you know so for professional development or for supplies etc. I'm sorry. >> Um, and so that just to clarify, Jim, the the fund would be for districtwide programming, not specific. >> That is correct. It's not specific just to the high school other than uh
007the scholarship for the math education student. >> Correct. >> Yeah. And and you said this is established, but then you have to come up with >> Correct. Correct. whether we decide or the family continues to um fund or add funds to it or anyone who wants to donate to this specific fund uh for those specific purposes outlined here um uh in the document. >> How have we done other funds in the past? So, we've the the most I say the most recent and it's been a number of years was the helping our own fund uh where we um set up the fund uh specific account and so if folks wanted to donate specifically to that account uh and then families in need andor identified by counselors at each building uh throughout holiday seasons or tough
008winters, whatever it might be, right? Um we have a process of of requesting funds through that. Uh and Miss Pavia Shields here at the high school is the one who is the organizer of that. Um but it still runs through our business department to get the funding. >> And do do we have a policy that says how we how we address these requests and how we do that? >> Yeah, we haven't. We do not Paul. Uh I have not found one. We should have something um and it should be created. We have just >> because we earmark it specifically through a vote. Uh it's only designated for that purpose. So from a legal perspective, legal structure, what we're really doing is receiving a gift subject to conditions. So by accepting the gift >> um and
009we are committing to only using the funds for the purposes outlined in the in the letter. >> Um >> and and are we I didn't I haven't had time to fully read it, but you know, want to make sure that it's all copesthetic as far as >> Yeah. ex you know if they said hey to fund something that we would think is either operational there would be times where we might say hey this not this bullet or something like that so by accepting it >> as it's written in a letter are we bound to >> all of the conditions >> these are pretty open Paul usually it's at the discretion of the donor from an accounting perspective so establishing the fund is good I guess my only and so I think it's fine like every
010reading all the points of what they want to use it for. I think it's pretty broad so it you can direct it. Yeah, it seems like >> Yeah. And what we've done in the past is exactly that. It it we try to stay true to exactly what they're asking us to use the funding for. Um but it there's discretion on our end from administrative standpoint. Um if if someone asks for something that that might be on that edge of is it really math education, right? >> Maybe STEM education. Right. So how does it fall into that? >> Yeah. and and totally fine with I just want to you know uh understand >> this one the next one and make sure we're behind it. >> Um you know because >> it says this and but we

You know those those things and and just accepting the gift and without putting any of that in place. So one other suggestion is often times you can write a thank you note to the donor that's contemporaneous and say thank you so much for your generous gift. we are going to use the funds in the following fashion and you document like how you intend to use them and outline um you can outline dollars andor you know purposes and that helps Paul that also counts from a legal perspective as appropriate accounting >> and I'm there's there's legal component but also like u you know when we approve it maybe we approve it subject to coming up

And so, I think it's certainly there's plenty of room for for further discussion with the family as to whether they want to be involved in scholarship or they're just saying you do it. Um, and and what they would want to have parameters, but from a legal perspective, we would be bound to the four bullet points that are on the on the letter should we accept the $50,000 cap. Yeah. >> Um, >> yeah, because partly they haven't really identified the X amount of dollars per year for the scholarship. Um you can take my spot but typically no it's the superintendent who is uh sent uh to represent the district. So, he he appointed uh one of his assistant superintendents to be there, but they couldn't vote on behalf of the district because it's either the superintendent or a school committee member. Um, this is something that was included in our policy manual, but really didn't belong there because it was sort of more granular than um than policy, but we hadn't put we hadn't framed it on the agenda in a way that made us comfortable sort of taking the vote on it. >> Okay. And and for context uh we base our policy manual on MASC master set policies and then we augment as needed. So a lot of these regulations came with that master set. Um so part of the policy is that that we you don't have to have one, but it allows for one school committee member to participate uh

That's >> Yeah, it's the um the interviews will be Tuesday, June 16th from 4 to 7. Uh and Wednesday, June 17th from 4:00 to 7:00. Those are the two dates that uh Miss St. Kerr and uh Mr. Rean will be running the the search from our standpoint. Uh, and for the director of student services, Miss Alman and Miss Lash Chappelle will be running the searches. Uh, like I said, they're running concurrently. Um, >> so 16th and 17th starting at 4, >> correct? And they'll most likely be here at the high school. Um, if we

So, um so it's worked out pretty well. We have a really robust group so far. Um but we're we're lacking obviously in this position here, school committee member. >> So, it is just worth noting for everybody's benefit because it's an assistant superintendent's position. Uh and the um I'll start with the director of student services search. We currently have 24 applicants. Um and the the initial search committee has been uh selected. Uh they've all the folks who I emailed who had interest said they could make both dates. Uh so I'll be sending out more information um probably tomorrow or Friday with regard to having just a brief Zoom meeting with me to talk about expectations and um introduce really Aaron and and Kate uh who will be running that search. uh for us uh and and outline the process. High quality candidates for sure in
027there. Um and uh Britney, as you know, Britney's here through August 14th, so she'll I I want to be clear, we're not necessarily we're not going to speed track this is I struggle having conversations with other superintendents about stealing folks this time of year, of course. Um and if we don't find the right candidate, there are interims that are available. Uh, I think that's an important thing to remember. Uh, at least from the director of student services side, I think that's more of a reality to go down that path if need be. I don't think it will be, but if need be. >> U, >> if this were to uh go well, yeah, are you thinking like a July one? >> So July one would be ideal, but but when we think about administrative contracts,
028uh, some have anywhere from 60 to 90 days uh, with regard to turnover. Um, and the best case scenario is uh July 1, Paul, but I I would anticipate it's probably closer to August uh based on where we are. Uh, and depending upon the role, right? So, if it's a current sitting um director, they're going to need more 60 to 90 days, right? Versus someone who might be a um a team chair uh whose contract ends at the end of the year typically, right? So, so we'll see um see how that pans out. >> Yeah. Um but experience um I've had numerous folks uh of the superintendent call me with regard to references already uh on people that that they're like, "Hey, this is a high quality candidate. You should probably interview them." Um so then if we can get it whittle it down um from those six to two or three where then I'll have them meet with the administrative team. Uh, and if I feel comfortable only moving one person on, I'm hoping by June 24th, which is our last meeting, >> uh, in the last day of school, uh, that I can bring them forth to the school committee for an interview. Uh, if it's two folks or more, we may have to schedule another meeting. Um, just because it's two two concurrent searches. Um,
031but we'll wait and see. I I I don't want to put a deadline on it. I want to do it right. Uh and if it means we have to do another um meeting and it can be via Zoom, it could be doesn't have to be in person, we can we can make it work. Uh but ideally that June 24th deadline and then gives me an opportunity to we have to go in executive session, talk about contract, all those things that that have to occur. Um but with this search in particular uh as we look at transitioning uh with a new literacy program uh K through five uh I am I am really uh looking for that type of experience right that that has not only adoption of of programming but understanding literacy uh understanding um elementary education uh my strength and my you know all my teaching background was was middle and high right so Mike has always offered that great balance for me being an elementary person. Um so from a
035perspective of uh our team that's certainly something that I I value heavily. That doesn't mean it has to be that person. It just means I value that in terms of what I'm looking for to round out our team. Um so uh again trying to keep it uh narrow it down to six folks uh for the initial interviews. Um and then after that folks come forward to our admin team. We're going to have a t opportunity to meet the as an entire team with the candidates before they come before the board. >> Uh I think it's important because you know we had this conversation I think Mark you mentioned it and Paul in our last uh meeting through evaluation. I think one of my strengths has been building a good team >> and it has to
036be the right fit for our team. Um, and that's what we're working towards. Uh, the question I have to the board is would you want Gretchen to pursue um the Warren Conference Center like we have in the past um or use one of the schools? Uh, typically the schools are are just getting done summer camps. Uh, and there's a lot of cleaning, especially if we're looking at uh a building with air conditioning, etc. Uh, which would be Mendes. Um, they're going to be hosting um some of the, you know, extended summer programming. So, would you prefer I move forward with looking at that for a day? >> What has been the cost of of these more conference center? >> It's probably a couple thousand dollars for sure. Yeah.

Uh I I sent a letter um you know to the community with regard to the override uh in the conversation um uh that there was good healthy debate along the way and I want to respect that and I want to understand uh and and say to the community that that I I do understand that it's a challenge right now for everybody um to incur additional costs uh in taxes to to get our our budget balance to really set us up, I think, for the next three to five years easily, um, in terms of how we approach budgeting. And Chris and I have had numerous conversations
041since the override vote. And, um, we feel really comfortable and confident that that what we asked for is the right amount. Uh, the community was, you know, overwhelmingly supportive, 60 plus%. Um, and I want to say thank you. Uh, and I want to recognize that, uh, we are, and Paul, I think you've said we're stewards of not only the the school finances, but the town finances, right? Uh, and we want to make sure that, um, folks here recognize that. Uh, and I recognize that. Um, we have a lot to do over the next month plus and that includes the fields takeover and I haven't even mentioned that within this report and I'm holding that till next till June 10th uh when we meet because uh we want I want to get through this information uh
042with regard to the override get our committee reorganized uh and then uh get the searches underway. The reality fair last week was just absolutely spectacular. And I'm a lifer now. I taught more kids about variable and fixed interest on that day. But just like shout out to Josh and Kelly and the entire >> Lauren and Betty. >> Yeah. Everybody, all the students who were there who helped run it. Like it's clearly a massive undertaking and >> so beneficial and just the students are so impressive. So which I guess I'm biased because I have a senior but um they really were and very engaged and um also um Mr. Alberts who teaches math and investing.

It's always my favorite event every year to volunteer at and I'm a lifer, too. I absolutely love it. Um uh what else? The There's so many end of the year events going on now, especially with those of us who have seniors, so it feels fast and furious. But um I also went to an Ashpack meeting a couple weeks ago and there's another one this evening as well too. But um one of the things that we talked about that Jim I you and you and I usually have an end of the year meeting.
046So we'll talk about this in more detail, but one of the things they brought up was um unified sports. Um and there are some things that are are going much better this year than they did last year. And then a few things that you know they kind of brought to u to my attention in the hopes of sharing um you know with you Jim and you know kind of broader in terms of making it um a little more in line with with how uh traditional sports run um so that our student athletes who are involved in um unified sports are treated in the same way that athletes in all other sports are treated. So there was there were a few discrepancies that they brought to my attention so you and I can talk in more
047detail about them. Britney may also be sharing them with you as well. Um, but that was kind of the main part of our conversation. They also had a lot of questions about the override which had already passed. So, we talked a little bit about that. Um, and uh, you know, they're wondering if the those 13 positions were coming back. So, we discussed kind of the reality of where we are and why those positions were um, you know, why those uh, those cuts, if you will, were made um, as part of the broader budget discussion. U that they really take to heart the feedback people give.
048We made modifications uh to to some of the stuff that I I was involved with last year and and yeah, it's it's always a great event. Um I'm trying to remember who I was talking to. Um and uh I told them about it and you know, they're in different towns and they're like, "Wow, you know, are other towns doing this?" And I'm like, "I I don't know how many other towns do it." Um, but it's uh it was very well received when I when I was at some party talking to somebody about it. So, um, yeah, and obviously we're going to have an update next time with graduation at least. Um and so I I my updates really we had um high school site council meeting three weeks ago. It was it was actually before our last meeting but we had had such a long meeting and um and with Lor's going away um they didn't want to to speak to it
050but had a lot of conversation about where the school improvement plan is and the things they're working on. Um so I would expect that some point in the next few months um we'll talk about whether it's a summer or late >> July 27th. >> Um July 27 we'll talk about that. Um so I have nothing specific to mention really out of that except just um ongoing work reality fair as well. Always it was a great event and I I always feel like I was on a booth where we're talking about interviewing and resumes and thinking how much of this is kind of going in one year and out the other and how much of it's helping and I was I will say this I was very impressed with the number of kids who said they
051already have a resume. >> You know I know a lot have to do it as a part of the college application process. Um, yeah, just great to hear what kids are doing and what they're thinking about and the ones that are really engaged. It's it's a lot of fun. So, um, I think that's all I have by way of update.
