00121 2022 school year the percentages by race were as follows American Indian Andor Alaskan native 23.1% Asian 20% black and African-American 12% Hispanic 2.3% two or more races 3.8% and white 3% our School Safety and Security team are reluctant to hear any criticism as they as they feel they are doing work that is too important to be criticized I don't believe in discrimination and our district should not participate in in discrimination on a second note I would like to comment regarding our school library carrying books listed by Deen acrian in looking at the excerpts I see adult content that would firmly place them with a rating of nc17 If the books were movies I do not think we need to have such graphic novels covering these sorts of Topics in our school libraries thank you

002and uh the final person uh signed up to speak is Don kleene evening I'm Don Klein I'm pastor of Bible Baptist Church up here in the hill over here and uh I appreciate the work we're doing with uh with the faith-based communities working with the schools M and having that in mind uh it brought to my attention today of these books that we seem to have in our school libraries well I don't have any children of my own here uh I have children and teens in my church and when I looked at some of the excerpts in these books if I would come right now come to you right now and I was to read some of these excerpts to you you would blush you would throw me out of here and you should throw

003me out of here if I was to read to you some of the excerpts I read them I'm appalled that we would even consider consider I don't know if we have them there or not I don't know I'm not seen them but according to these websites we have these books in the school library and it's unbelievable that we can kick out Dr Seuss where we can bring in burned and glass and Looking for Alaska and smoking now these these titles seem innocuous but read what's inside I would challenge I won't ask for a show of hands like might a church but I would challenge each and every one of our school board members and you're so important to our community You Lead You Lead our community in the educational process in this board and if

004you don't know what's in those books shame on you because it's your responsibility it's your responsibility to know what's in your libraries that your children are reading I can't imagine that a sixth grader how many you ever seen these books in your hands here and how many of you seen them okay most of you all right to have one of my teens whether it's everyone knows the pepper family man if I was to have on pepper comeing to me and say man you know what my kids are reading in that Library what are you doing about that Pastor I'd be ashamed and so I'm going to challenge you don't brush this aside you've heard now from every person that's a good preaching by the way that's good stuff uh but I would I would challenge

005you to look at the parents look in their eyes and I would challenge you to justify to justify why we have this pornographic and that's exactly what it is now maybe there's no pictures it doesn't matter this is pornography plain and clear and maybe it's okay for Seattle I'm from Seattle I'm embarrassing from Seattle he doesn't belong here in CA it's I just challenge us all take a look about that let's all let's all pray about this okay and as we continue to work towards merging the faith-based community with the school district I'd have a very difficult time to say that I'm involved in that initiative knowing that we willingly and knowingly have this stuff in our libraries thank you thank you all right thank you very much uh for your comment and thank you

006for those of you who are in attendance um and uh those of you who are watching online we appreciate your feedback uh as I mentioned earlier we can't uh really um um answer questions or ask questions I'm sure we all would like to um uh until it's a um item on the agenda so uh our next item on the agenda is the uh meeting approval of the regular meeting minutes from December 14th of uh 2023 and from January 11th of 2024 and before I I go on to that um we're going to now kind of proceed with the rest of the regular meeting and the reports and if people want to get up and leave you're welcome to but you're also more than welcome to stick around and and watch the rest of the meeting

007I'm good and we do really appreciate whoever spoke whoever came here to support those who spoke and we are listening there's not lot of give and take that obviously we can do until it becomes an action item or an agenda item but we do listen and we really appreciate everyone who spoke was very appropriate and that's that's what this kind of situation is for so thank you very much okay so um the uh does do we have a motion I think everyone's had a chance to look at the meeting minutes from 12:14 and from 1:11 is there a motion to approve the meeting minutes or any questions comments on them I move we approve the meeting minutes from December 14th of 2023 and January thank you Jamie any other questions or comments about those meeting

008minutes all in favor of approving the meeting minutes from the last two meetings signify with an i I go thanks Derek uh opposed great um so the meeting minutes are approved we'll move on to the consent agenda um which has a number of items on it the human resources action sheet and goods and payroll and services maybe we could talk about those briefly Chris um I don't have any updates unless you have questions on the payroll goods and services this evening but on the HR action you'll see that we're starting to see a little bit more attrition not a lot um I think at this point in time uh we have a couple retirements uh from our certificated staff a couple resignations on that side as well so four total on our search side we've

009got uh four also on our classified side uh we're starting to um as we have started the beginning of the school year every time we have a turnover and a position on classified during the course of the Year we're taking a look at those positions and and getting those back out for the ones that we need to to recruit for so with teachers obviously they're under contract and they uh are committed to work through the end of the school year so we don't uh we're not doing anything with those at this point so any any questions from the board about the uh Human Resources action Derek here you okay Derek got it I I'll just point out that uh the board appreciates um the work of all of the uh people on the uh staff

010and faculty of our schools but um uh I'm particularly thankful for the years and time and energy and heart that Scott did put into the football program at cila he's changed a lot of young men's lives uh for the better and um we are very very grateful for uh all the things that he's um done for our schools and thank you Dan that's a nice highlight from the HR action appreciate it moving on to the payroll goods and services are there any items there that you'd like to um highlight for us or any questions from the board no highlights um from me on the A on the payroll goods and services this month okay great as we mentioned um before the meeting there's a a big one that came out for our employee benefits yeah

011uh for this month so we're glad we're glad that's taken care of uh the next item in the agenda for the consent agenda is a first reading of a number of policy updates uh one about education um Financial education being Mastery based learning and credit the next one on equivalency credit opportunities the next one on performance-based pathway for high school graduation and the last one on it looks like it's for threshold of leases and subscription based it arrangements are there any of those that we need to uh hear about uh superintendent McKay um at this point again it's first readings for your review of these uh I included an overview on the cover page of the policy review for this month it's identified those four uh and also some additional information from wda with regards

012to what all that means in context of what they put together for your review first reading of those by uh myself and with Chris with the last one is uh we don't see any reason as to not continue to move forward with the study of those I think that the first three are are signific very beneficial to the students that we serve especially at the high school with regards to their Pathways and graduation credit and opportunities for them to receive credit and then the last one is uh more of a responsibility we have when we go into to an a lease agreement is that fair to say Chris you want to take that basically this is uh this policy is driven by gasby 96 um for the subscription based Information Technology arrangements and also gasby

013887 for leases so this is a requirement that came out and we're you know we have to abide by uh for financial reporting so I I just want to uh highlight the um policy 2415 seems like it really works well with our Career and Technical education programs the uh the headlines on those from the policy um Schoolboard policy is districts can offer new graduation requirement options that let their students follow their interests and goals and the other headline is credit for work experience that seems like that fits in really well with what the path that we're we're on any other questions or comments about those first readings Indie I just wanted to add that I had the opportunity to work at least on the perform performance-based pathway um bill with the State Board of Education

014this past year and I would just encourage you to take a special look at that and um think about how that can impact our students because I think a lot of people at the high school could really benefit from that so thank you and I'm excited to see how that makes its way into our schools so we'll have a I want to follow up with that Indie but I just make sure we get the process right we'll have a second reading and then a vote to approve the or adopt the um new policy updates at our next business meeting not at the study session was that business meeting a month from now we'll have a second reading of those Indie do you want to tell us a little bit more about what you mean by

015it'll help high school students uh yeah so the addition of the high school graduation pathway um the performance-based one really allows students I think um who maybe don't quite fit into any of those other Pathways or a student who uh has a focus on one specific um aspect or area that they're really passionate about that they've pursued um and want to showcase their progress and talent in that I think it's a great way even if you're not um even if you don't need an extra graduation pathway it's just an opportunity to showcase your work and to be proud of what you've accomplished over your four years or maybe more so yeah excellent thank you very much all right uh we move on now to the second reading for two two um of the um proposed

016adoptions uh the first is for separation from employment and the second for the highly capable program we had a chance at our last business meeting uh which would have been in December I guess is that right December 11th to do a first reading of those um and I'm assuming that the board has had a chance to look at those in more detail uh between then and now are there any comments or questions about these policies and Kevin is there anything we need to say that we have didn't say at the last meeting nope not at all I think you've got full uh full recommendation to adopt both of these by uh District staff who have reviewed them as well as what we presented to you in December if you look at the for instance um

017for those of you who are in the audience aren't able to see it if you're interested in looking at it it'll be uh I think it's available it probably will be available on our website as part of our policy but a lot of times these are presented to us with just some language cleanup basically so a strikethrough of a certain word and an addition of another word and the highly capable program is a good example of one that doesn't necessarily significantly change the definitions of the program so much as make it clearer um any other questions about those we good move we uh approve the updates 2190 and 5280 presented board okay are there any other comments or questions all those in favor of approving 2190 and 5280 signify by saying I I opposed okay

018those pass second reading and adoption uh we have a resolution uh about authorized signatory this is an exciting one uh here hereby resolved that the uh we're able to sign things right isn't that what that is which by the way yes that I'm my name is on there as is Kevin and Chris's name uh we have this to sign stuff too afterwards so have a few things and Derek maybe uh when you're feeling better um you can come to the district office and get your signature on the um um consent agenda items and so forth great okay um our last two are kind of fun to talk about the first is overnight travel requests and there are three of those Kevin do you want to oh sorry I I was going to vote on the

019whole consent agenda at the very end um is uh there are three opportunities one is for FCCLA student advocacy one is for I believe two members of the district office to travel for a National Convention and one is for the HOSA is that a Health Science Program I see Heather G oh there what well you're nodding what do you know about the HOSA what does that stand for and do you know what do you know what the overnight trip is so I don't know what it stands for but my mom works at at Na's middle school and she is in charge of their HOSA program um so I do get to hear about it maybe more often than I'd like to um but basically it's like Health Sciences I can't remember what it stands for

020she's told me before but I think it might actually now that I say that I think it might be kind of like Deca and that it used to stand for something but it doesn't anymore just call it HOSA yeah pretty much um but yeah so a lot of the students down at her school have presentations and projects that they've been working on for weeks if not months um so they'll get to go to that conference to present their stuff so fantastic and I think that's an overnight trip that they're taking to Spokane if I'm bring that is correct agenda item correctly any other questions oh Andy oh also add with the HOSA that I know we had a group of students who went last year and did really well so yeah excellent and Indie do

021you know about the FCCLA thing um what's the date on that when is I'm looking right now it looks like they're going FCCLA officers going to Olympia today today yeah so I I think that they're at the capital advocating for um ctso um I yeah thanks gotcha thank you very much oh those are neat I always like thinking about uh the incredible experience that our our students get to have when they get out of the district and show off uh all the things that they've learned in the district I'm I'm really proud of our our District's efforts Statewide uh and even nationally um to expand that extend that learning opportunity any questions any further questions about that I have a question so they're meeting with legislators at Capitol will we get a report on that

022when they get back we surely can have that yeah it'd be interesting to hear what what they have to say about their conversations with legislators so yeah exciting Jeff they have scheduled meetings like that's my understanding but it is not just our students I believe it is a day on the hill for all all students who choose to attend there yeah uh Jeff is uh supervising as he's going there so he can provide a report along with the students and then our final item on the consent agenda is accepted donations and there are three um the first is from the ca storm wrestling team which donated 50 wrestling warm-ups uh to the ca Junior High wrestling teams to be used for the boys and girls wrestling team the second is from Club CA volleyball which

023uh has given the school district uh a certain amount of money to help purchase volleyball supplies for our I'm guessing for our PE program for the volleyball program fantastic and the last um donation to the school district is from the city of CA liquor tax Chris do you want to tell us uh the history behind that donation those funds um get distributed to uh send down M Ranch um and then they are contributing those back to ca School District to help support the the contract that we hold with Sundown for the drug and alcohol support in our schools so it's really a good thing for CA School District we appreciate uh Sundown and um Scott mson actually making a decision to to kick those funds back to the district to help offset the costs for

024our contractor at Sun we we definitely appreciate Scott's work out there and also his partnership with the district for sure uh the um the person that's kind of Argo between is Jeff Cochran is that right yes and he's the director of Al uh that stands for Alternative Learning education but his actual title is director of future learning so he he's in charge of all of our um Alternative Learning Experience or education for the district the Al and all of the oversight of all the CTE programs fantastic big job and we're thankful to all of those organizations ations making donations um to the um SE the school district any questions or comments on those thanks for Club volleyball that you guys thank you J we got it derck do you have any questions about the consent

025agenda um can you hear me yep okay uh just uh one comment on the overnight travel requests I think uh I mean obviously I'm in favor of the travel for the students um but as we were discussing in the budget meeting previously um I think we should be careful with these requests that are just for presentations and things like that when it's not directly um if students aren't going in my opinion so that's just what my comment is on that thank you and that is for those of you who are in the audience and haven't been here for prior meetings or seen them online um the we are in the process of a kind of a belt tightening in the sea school district and our really going carefully through all of these uh requests for

026travel uh there's some funding I believe Kevin for the national conference is that correct yeah many many of these come with funding associated with it some don't and some are are funds that we receive through through our local Levy or other uh budgetary funds that we've identified for travel and uh accommodations and registrations and so forth so we do we do try to make sure that the priority for the use of those funds is tied directly to the benefit of students by those students attending those those our first priority there are other things like Mr Iverson mentioned about uh that we've scrutinized there are there are times that uh I feel that it's in the best interest of our school district to to share what we are doing in certain areas uh in this specific

027case tonight we've had two of our executive directors been asked to present at a national uh conference which I think is a benit benefit to to our school district when we can share that uh there are other ones that we have uh we have decided not to attend where we've been invited um we don't feel like it was probably in the best interest of the district whether it would have been in tough Financial Times or any times to go to those um and so it is it is not an open door that everyone that gets invited uh to these uh uh gets automatically to to go uh the case with regards to the one that you're approving tonight with two of our staff members going there there was an invite for presentation and there was

028also some funding that went along with that as well great thank you uh I move we uh approve the consent agenda items any other further comments questions I think last month we had approved a travel and once they saw agenda whoever was going act we said this wasn't worthwh and St way to that yeah you are correct is that sometimes we have to uh get accommodations ready to go even before the agenda of what's going to be taking place at these conferences and then once the agenda came out uh our staff decided it wasn't in the best interest or the right use of funds even though some of the funding uh was being provided for them to get them there they ALS they then chose not to to go so yeah you are correct uh

029we did have one you did approve and they chose not to con continue with that all right all those in favor of approving the consent agenda items a through H excluding e which we've already voted on signify by saying I I I all those opposed any extensions all right uh the consent agenda items pass then and we will move on to our reports from the administration with our first report coming from uh Frank Reno about our facilities annual report thank you for coming tonight Frank well first of all thank you all for having me um I'm gonna go over some highlights from this year's uh stoal grounds and maintenance facilities projects and uh things that are going on but first I'd like to thank you again all for having me and before I begin thank

030Chris Kevin the administrator for their continued support with our department and the growth of Department um I'd also like to thank the maintenance custodial crws and the grounds crws for the continued support and growth that we go through in the past that we've gone through in the past year I continue to continually challenge them to adapt and embrace changes and in a way that we approach The Maintenance and Facilities of our school district um and their willingness to do so has made a huge difference in the day-to-day operations of our facilities um it is a real pleasure to supervise employees that take pride in the work they do every day and that may be at two o'clock in the morning like it's been recently but they do they do show up and they and they

031take care of things and they care and I appreciate that um I'm going to begin with one of our bigger projects uh this year that sometimes I ID or we ID something that needs to be done and I don't pull the trigger on it right away because I don't know what is going to happen is this an Ona now it's green okay you guys can hear me now all right well one of one of these projects that I call them a balloon project because when you start them you know they're going to balloon the irrigation system up at the ca intermediate system was old failing and um we had zones that would have 37 sprinkler heads on it and it always bothered me late in the summer I'd go up there we'd have fairy rings

032and brown spots and anybody that knows me knows the one thing I like is Green Grass and so we finally decided as a district that we were going to make that Improvement and it was a larger than we thought it would which is kind of what we figured would happen when you get into something like that but it involved removing um and severing Main lines adding lateral lines um I think we added five or six lateral lines to get the coverage that we needed to get some of those heads off of one zone um but the biggest thing is we're able to integrate this into our District's um Sentinel irrigational control program which is a automated program that the guys have on their um laptops and in their phone so if we have a breakage

033or something like that we can address it quicker we know what's going on quicker and and that control ability really enhances things when it comes to you know loss we get big floods and things like that so it's nice to have that but we also had an issue happen um this fall with that same system where we discovered we got a call from a neighbor up on Pleasant Hill that his yard was a swimming pool in the back um through the research and everything else the that that irrigation system was fed by cin AES and uh the easement went right down the hill through three or four houses and kept breaking and the line was old it was original as far as I could figure um so we decided at that point in time that

034we'd move it which required us moving it around all those homes and if you go up on Pleasant Hill you can see the the road we built to have to move it um the neighbors and the owner of the property were very gracious in allowing us to do that um so we literally moved 100 foot of pipe and replaced it it's all brand new and now we hope that those irrigation problems up at that site go away and the grounds become more usable um other projects that were completed this year by the guys in the maintenance per Department Remodel and create classroom space in the Middle School library um we're continu to continuing to try to add automization to the Middle School Greenhouse in forms of controls for water uh the addition of evaporator coils

035and a lot of this stuff's not complete yet because we didn't get product in time and then winter hit and it slows us down um but we'll get on that in the spring we should probably have that up and running by mids spring upgrade to the main women's upgrades to the main women's restroom at the high school this was a larger one because it required paint new fixtures new partitions a lot of work on the floor um it had not been upgraded a few years back when they did those restrooms and it was in desperate need installation of new walk-off mats the main entrances of the high school those were those were aged old and ear original um upgrades to the Middle School concession stand outside in the restrooms paint all exterior doors and the

036Portables up at Cy that's something that bothered me for eight years those doors look terrible um we replaced all the classroom faucets at Cy um those were wearing out they were running end the life plus with the new legislation for lead and testing it just made sense to do it all at once um installation of an industrial dishwasher in the high school Foods lab and installation of two new water softeners at CIS and the Lin campus and all of this predominantly done by the crew that we have here not contract um the guys continually work on keeping the daily work order volume low and are very diligent in their approach to this um I'm very appreciative of their efforts um I've said many times collectively they are just an amazing group of guys and they

037work very hard hard to maintain the district in a progressive way it's good for students staff and Community alike on the custodial side of things um we keep improving our methods in um in increasing the amount of things getting done during break periods summer break Christmas break things like that when students and staff are not here we could take advantage of that and I think last summer was probably the most successful summer for that the cleaning program um really really did a good job in the summer uh this is largely due to planning and scheduling being done in advance uh I can't take full credit for that um with the addition to Chris Harris in the office as our custodial supervisor he was amazing he did a great job and I can't say enough how

038much on in the building handson helping trying to improve the way that methods they're doing things the way that we get it done and always supporting people and always doing it with a smile on his face he's made like I said he's done an amazing job for us and I'm very grateful for the addition of him in my office um the other thing Chris is really good about is he's constantly looking at ways to improve or streamline the way we get things done whether that's a deep dive into our daily custodial expectations to see what can be done to Aid our custodians in succeeding in their areas every day or bargain shopping for the best deal uh for supplies and equipment without sacrificing quality and supplies that we use daily you spend a lot of

039time budget shopping and and both Chris and I are very thankful for that as they do every year I'd like to you know finish this by acknowledging how great our District's Grounds Maintenance and custodians are and I should do that after doing this job for over 30 years you know challenges become less because I've experienced more but you know since starting here I can honestly say I haven't experienced anything that this group of guys can't work with and they're they're just really talented and to have that kind of support and to have that kind of work ethic we're very grateful to have and very appreciate you know as always you know the goal is to have everyone look at our grounds facilities through the same eyes and we continually grow in this area and I'm

040very proud of the work of our employees and everything they do every day you guys any questions thank you very much Frank uh we appreciate your report every year I'll open it up to the board for any questions or comments no questions just to see you and your staff you give the staff a lot of credit but it's a leadership that does a lot of that too and and uh yeah i' see them on the grounds and stuff they they look like they own the place and I mean that in a you know a positive way they ha Pride they're not going to walk by something and just look the other way and so that's great I mean it's been fantastic whether we run into each other on Pleasant Hill or whatever you know where

041the water was flowing or you know at a gym with the custodia group they do a good job so appreciate you and appreciate them well thank you yeah they do do a good job they're really really responsive and they own what they do and they do take bread they' had a rough couple of weeks so we're hoping the weather gives us a break deserve it a little bit those two o'clock in the morning starts are getting old I don't know how they feel about it but I'm getting old all right well thank you sorry Frank let me let me just make sure we get all the questions and comments anybody else want to jump in and add Chris I'd just like to publicly thank you Frank for your leadership and Jamie thanks for mentioning The

042Pride that the the team has and from Frank across his whole team they do take take a lot of pride in what they do and it's much appreciated you have great work ethic and I can speak to my my 24 years here um our our maintenance team has saved and grounds has saved the district thousands of dollars by doing most of our projects inhouse and that speaks to the skill level of the team and so thank you very much the guys collectively just have an amazing skill set and and if they can't figure out we we figure we always have a resources to be able to Frank I just have a couple of quick notes first um uh I I had a student that I just talked to today I'm a teacher at yvc and

043he's in my English class named Luke Stevens who's a substitute custodian and when I asked him about the work here at ca he just lit up just lit up his mom works in the district office and he was so excited about his job here especially in the summer when he was making money pretty good he really LED being there working on the stuff you just talked about it's just he just loves it and it goes to the second thing I want to say which is there's a kind of a buzzword in uh in leadership circles I guess you would say about a culture of acknowledgement or a culture of recognition and that just has every time you've given a report I that just comes naturally from your leadership um and I I'm I can see

044why people like working for um the maintenance and custodial crew here uh with people like you leading them and then finally um and more specifically uh we're engaged in a year-long long-term facilities research project um to figure out what we need to do in the next 20 years for our district and your work on that committee and informing uh the decisions um that are being made by the district on top of what you're doing on a day-to-day basis are very much appreciated and you know that I I spend a lot of time in the high school because my my son is a senior this year uh and I know that's one of the facilities that we're having to kind of patch as we go along and every time I walk in I'm impressed by how

045we're keeping that place going so thank you very much um for all the work that you've done the concept at least for me is you know when things need to repair be repaired whenever possible we're going to do it right I'm not a person that subscribes to the Band-Aid approach or I never have been and I don't like it and it's probably because I started my career being a guy that had to fix the Band-Aid stuff so I appreciate the support that I get from the district to do things the right way the first time thank you thank you very much all right thank you all right uh our second uh report uh from the administration's side is the technology annual report uh and we'd like to welcome Greg suden to uh our board meeting

046yeah thank you I'll uh I have some highlights to go over in sort of the usual uh the usual presentation um with different uh hopefully some different material here but uh um my name is Greg suden i'm the director of technology for seedless School District years um my team right now consists of uh Stacy Cody and Rob and we have a a web kind of a website manager um who's heavy on doing you know um tickets and help Des tickets and user account management um Cody's our systems and server engineer he uh he does a lot of the work installing and managing and updating servers and switches and networking components um security patches backups um rating images and again a lot of help desk tickets um that'll be a theme Here those help desk tickets

047today but uh Rob he's uh he's into managing our Google environment and our Apple environment and the uh the back ends of those systems that take a lot of work um does a lot of Chromebook repair iPad repair and uh a lot of a lot of help desk tickets um I do a lot of the managing uh of course of the the daily work um kind of driving kind of driving the ship make sure that uh that we're getting it all taken care of um those folks that I mentioned um have all been here 10 years so we've got a team that's been together for quite a while now um they're they're they're all really good the uh um kind of an overview of the devices in the district um I kind of always update

048you guys on this so that you know and it's ref familiarize yourself it changes a little bit here and there um grades 6 through 12 we are Chromebooks one: one um take home devices that uh there are very few exceptions to that you know some special situations where the devices stay in the in the teachers hands um grades three through five at intermediate is one to one but the devices are all in carts in all learning spaces uh grades one through two at uh John Campbell they have um four Chromebook carts to share and four iPad carts and and five or six iPads per classroom and same thing at kind of Kinder they have some carts available to share and some some uh kind of a small kit of devices in the uh classrooms um

049some of those administrators um I don't want to speak for them but I know that screen time at those levels especially is something they they keep close tabs on so there hasn't been a desire to be oneto one there and by anybody um some school safety uh prerogatives that we have uh our visitor management system um some of the public might have noticed over the several last several years that a lot of the schools have been secured fortified you know kind of with a a vestibule entry and visitor management um locked doors um kind of managing who's in the buildings so that uh it's just you know kind of the way we do it now uh security cameras door access controls um there's some anti vaping measures me that we have in place and uh

050of course our security measures you know just firewalls and um hardware and software to help protect the district some of the projects um that I'll talk about here a lot of these are kind of summer spring break winter break projects of course our daily uh our daily work you know when school is in session there's a ton of of managing help desk tickets um so you can imagine your home technology has its troubles and needs its support and service and you multiply that by 500 plus employees and this many thousand devices that we have there's a lot of uh there's a lot of work going to keeping all that running um some of the projects we did over the summer and again they've extended some of them they're not all summer but uh um several

051computer labs at the High have been redone and worked on um completely installed in a couple situations uh where there was not computer lab before there is computer lab now um updated data storage arrays at the middle school to support our server U environment um camera servers have been upgraded at the middle school in high school again just because they're aging um updated iPad ads at John Campbell and Robert Lin more iPad carts at Kinder building um the new Transportation building rolled out um over the end part of the summer and even into a little bit into the fall that was a that was a chore to kind of get them all moved over and get that technology all heated up um when you have Chromebook carts they they get messy they get uh they

052get to where there's a management kind of cabling and cleanup issue that has to go on there that's a big chore when you got um 50 plus carts in the district uh website transition um I I know the administration already knows this maybe the students have noticed too that we have a new uh a new website in the district um it's called final site um hopefully it will be our final site but uh uh we transitioned over that uh about a week ago and it's going well um we did a full District inventory over the Christmas break um sort of in preparation for the some auditing that's going on um that was finished um firewall server switch updates all that kind of the usual usual slate there so with that said um we're uh we're

053in a good place I think technology-wise in the district it's a it's a constant battle to you know put out the fires and keep it going and stay on that cusp of Cutting Edge but not spending money that we don't need to spend to to be Beyond where we should be technology wise um so that's uh that's all I have for you today thank you very much Greg does the board uh have any questions or comments Greg are you part of the facilities planning in regards to where we need to be in 20 years but also just if we don't get buildings our buildings to be suitable for 20 years with some of theu G fiber stuff that's going on and are we kind of okay for the most part there we're definitely okay I

054mean um I'm I haven't been in the early stages of this most recent planning sessions um but I'll certainly be there and and be called upon to talk about technology and how to incorporate building additions building replacement um that's that's always I don't want to say it's fun part of the job but it really is fun because it's different it only comes around once in a while and you kind of savor it when you when you get to be a part of that that be funner of that part than Panic time when we first went into covid your your demeanor changed a little bit from then to now so that was uh that was Panic time and you guys handled that great so this is probably a little bit easy peasy for you right now

055yeah it's good be back good good be back to the status quo we'll call it but uh but it's it's never status quo we're always looking for ways to improve is it okay if I recognize somebody from the audience who has a question all right I see somebody from the audience Greg if that's all right that has a question yeah these are my cables I Cable cable management I'm I'm feeling well you know we get a little tiny floor box that's this big and this deep and then there's thank you thank you we appreciate that any other comments or questions well I'd like to just again um like Frank's team Greg's team is a highly skilled team um one thing in particular we have a lot of as Greg mentioned we have a lot of

056Chromebooks uh we used to pay for extended warranty on our our Chromebooks um and would send them out for fix um like Greg mentioned they they they fix the Chromebooks they again it's like the maintenance team they do a lot of work inhouse saves the district a lot of money we appreciate the fact that they like the maintenance team they take pride in what they do they're always looking for ways to provide additional uh better customer service than what they're already providing for instance um just recently Greg implemented a a program or a rotation where we have a tech in buildings on a rotational schedule so that those teachers and those staff that have had Tech issues for a while and just haven't submitted a ticket to get it fixed that they're available um staff

057know that they're available in the building and they can go around and they can troubleshoot and take care of issues and we just really appreciate um all that they do for us so very much so Greg I I just had a couple um maybe a comment and a question we're we're kind of uh this year as a board and as a district focusing a lot on school safety um and I see so much that your technology uh information technology department is involved in with school safety um including uh The anti- Vaping measures is there anything you can tell us about maybe I know there's kind of we don't want to get too much into how kids could disable it or something but uh tell us a little bit about The anti- Vaping measures and how

058that's a technology solution uh sure um like you said that we we don't put a lot of information out you know on that so that there aren't rumors running wild but there um there are some locations um Prime vaping locations that we have sensors set up that that um do a pretty good job in alerting administrative staff to the uh um to the activity when it happens in real time so that it can hopefully be addressed it's never you know it's never a Surefire thing um if you know I would um ask the board to you know speak with Mr Monty um at the uh or Mr star is actually a better choice he could give you a a an in-depth about just just how well that's going but I know it's going well and

059it works um whether yeah I don't have hard numbers on how many uh how many searches they've done how how successful is been but uh I was just up there today doing some further testing um with their with the app that they have and their notification system um so yeah those Those sensors um Those sensors collect the you know the particulate of The Vape and um doesn't really matter what kind of Vape it is um and again that uh Those sensors are going to be going into some Middle School locations as well um coming up so we're really we're really doing what we can to to try to address that and and find it in real time great uh the the other um question or comment that I have is that there's also in addition

060to the long-term facilities planning committee that's formed there's a sort of a a committee form for school safety um with Aubrey a parent Aubrey Hol Wier and with Joe kard our director of security uh and safety in in the and transport I think as well um and they're looking at some things that would be at in the vestule areas it would be weapon detection systems some of that involving artificial intelligence and cameras are you familiar with any of the the suggestions they have and do you have any opinions on those um I I do know about some of those I might not know about all of them you know as far as some the ideas some bullet bulletproof glass or film some ideas of um um you know how our cameras can be leveraged to

061search for um for weapons and identify that in real time you know kind of in the scenario where every second matters you know if you can if you can get 30 seconds or one minute ahead of where you would have been otherwise with a technology that can that can really equate to lives save so the uh the idea of having new Hardware in place that can actively monitor for for weapons whether they're visible or not visible um you know it's it's kind of a science fiction thing but there are there definitely is some stuff that does work it's all very expensive um looking at Grants I know right now for for some things and sort of waiting to see what settles out as as as good technology and not not bad technology yeah you don't

062want to buy the hype you want to buy the thing that works for sure yeah great thank you any other questions or comments I I just again from the board's perspective we have as with Frank we have so much confidence in your a leadership of your department and every year it's a it's a report I look forward to because of um just the expertise that you bring uh to our district just feels like it can't be replaced so thank you very much from the board and I know that uh the there was a mention of the Gaggle program earlier and I want to make sure that uh you know if that comes around and there's some followup on that let me know I know that I know that that's um one of my introductions um

063the principls um and counselors at each building would have much more concrete evidence on you know on how it's working a breakdown of um I don't know if we have a breakdown by race or ethnicity um of the events that it catches but we don't you know I know that program's built not to worry about ethnicity of a student but but words and key wordss and trying to trying to head off safety issues um serious safety issues um you know and then the gagle program is built on a three- tier setup where there's a there's the highest tier which is immediate you know risk of life or um you know just uh um that highest level and then there's a tier that hey it's important but it can be dealt with tomorrow and then there's

064a tier that's you know somebody saying a bad word someone using inappropriate language and and those are those are dealt with in much lower level sort of ways um but but they're still addressed um so I do know Gaggle um and uh it's been in place for several years now um I have never heard anything bad about it um so hopefully today was not necessarily something bad but something we can look at to um if if need be let me know but so people are aware in the audience and maybe at home as well um uh the gagle program uh scans for keywords suicide ideation for instance or threats to the school um or um concerns about drug overdoses uh and um alerts counselors and administration so that address it was Google Docs things you've

065written in your documents it looks at uh keyword searches when you're when you're searching on the internet um you know you could type in gun on the internet and we could do some follow-up search to see that well they're looking at Minecraft or they're looking at a video game um but you know there's a lot of times where the principles need to know um those uh those searches so that they can tie incidents and things that are going on to a particular individual that they might know in their building is having some concerns so it's it's really good program Greg I something came up in some of the research I did on the program that in some districts if a student is charging their phone through their Chromebook it might also access their phone do

066you know if that happens with our setup no we are a Google District so if you know it can look in your go your school's Google Drive no matter what device you're using you know that's that's the district's Google Drive that's you know for student work it's uh it certainly is not going to look at anything that's loaded on another device um but if it's in the cloud in your in your email account or your Google Drive that's where that's where it could be a little delineation of whether a student thinks it's personal U because they've done it on a personal device but yet it's in the Google Drive so that's that's the balance and that you know I think from my perspective there's this balance between the student privacy and also the safety of

067the schools and gagle to me um and I think I'll speak for myself seems like one of those compromises that we make to add a layer of security to our our district that um could be could be saving lives so yeah and with the uh you know with the comment that was made today I'll certainly I hadn't heard that comment I'll certainly look at that and see uh see what there is to that great thank you any other comments or questions great thank you very much gregk you appreciate it all right we are on our third of our reports from the um uh where did it go I didn't clean up Hunter I'm in a weird spot i' got we've got Hunter system to report on courageous conversations uh and Hunter I'll let you take

068it away I I'll just read quickly sorry thank you Circle back as to why Hunter is here Hunter and and some of our other staff members had the opportunity to attend a a conference a nationwide conference and and you as a board knew about that and at that time asked that at sometime in the future that Hunter and others come back and provide a report to you so that is Hunter's purpose of being here tonight now you take it away Hunter okay can you hear me yeah I'm getting a little bit of Cabin Fever I've been in this room for the last two days seven hour trainings each day so it's been uh I haven't left this space um I did present I did put together a presentation uh just to say thank you for

069allowing us to go to this H conference called n the national Summit for courageous conversations uh what I'll talk to you about is a little bit of like the history of some of the work we've done uh around Equity uh and what's been and kind of the purpose of why we went to this this conference and what the takeaways were can go ahe and go to the next slide there miss be so um we've always in all of our district level of work we always start with the Viking promise and and try to embed what we do if it's not in the Viking Pro we can't make a connection to the Viking promise then it's it's work that we don't think we should be doing uh and what happened a few years ago was our

070our our our staff was noticing that we had some inequities inin our district we also didn't really had Equity to find yet so but Equity centered within our within our Viking promise and then also emotional and physically safe learning environment so go ahead and go to the next slide um what we've learned was we did a lot of uh learning with staff over the last few years volunteer volunteer around learning around Equity learning specifically about race and how to be able to talk about race in a healthy way uh because that's what staff we saying is coming up in their classrooms uh between students uh between staff and so what we've learned over the previous years is that people are on the equity uh are on a Continuum of being able to talk about Equity

071uh and that our community context matters that we need to be able to have conversations that um are helpful and healthy and that um people are are ready for uh and then we the biggest thing we learned was that having a protocol to to talk about equity and to talk about race because race is hard to talk about um was crucial we needed to have rules of engagements that way those conversations went well and then when done with purpose um Equity work takes leadership takes bravery so that's kind of what we've learned over previous years we were doing a lot of learning with staff and then um but what what we came from from that what we ended like kind of last year and all of our staff saying is we need to hear from

072students what is their experiences as they go through our system so last year we did some student voice interviews and some videos if you click to the next slide um there was three themes that came up and these were from our high school students and these came up students said them in different ways but these these three te came up in almost every single student that we interviewed uh there's racial slurs uh being used every single day in the halls of C the high school uh specifically the nword that's one theme that came up another theme was that staff either don't know how to respond when they hear something or they just don't and from the student perspective they didn't they couldn't tell which one way or the other they just knew that they felt

073like nothing was happening when when when racial comments were being made and the third thing was uh they felt student felt like there was lower expectations for students of color so we felt like uh some urgency as we ended last year when we interviewed students and like I think it was late April that we need to figure out how how do we go about this and address these themes within our district in a way that creates uh lasting change and that's where we uh we found the national Summit for courageous conversations because it's about having hard conversations uh and so that's when we decided to go to that and take a team from the high school so we can start to address these themes so this was what was driving our our our current work

074for this year that we remind our our our staff and our students that this is kind of our our action items that we need to take urgent urgently take action on and you can go to the next slide and this is some of the data from this year uh well so on the left is is bias incidents what I recognized was that we've had um we have a behavioral referral system that we follow up with on for for discipline um but we had no way to kind of filter um how often is this happening within our schools so we did add a a a bias incident filter uh within that so anytime a referral that was had any racial uh derogatory language included uh it's it's clicked and so this that was added once we

075came back from our conference that was one of our takeaways you can see so this was a FR in November till now um you can see how many bias incidents there are very very little in in early Elementary but as kids progress and get older there's more and more um racial ized behavioral incidents that occur within our schools and on the right this was some of the work that kind of stemmed like the inequities that we saw within our within our system this is exact actually from OPI that I think was referenced earlier in one of the comments it's the exclusion rate uh of our students based on based on race that's kind of the the the data that we're seeing of like this is why it's urgent this is why it's important H could

076you tell us or Define what exclusion rate means yeah so yes this probably because this doesn't add up to 100 is that that's probably one question you have so this is uh the if by category by racial category if if if that was your racial category the percentage of students within that category that have receive exclusionary discipline now as a district I believe our average across the board is 2.7% um so you can see there there's some disparities there and that has been um I don't have historic but this this this trend that we're seeing here the most recent data has been historically kind of what we've seen as well other data we have that uh has kind of prompted to this work because we have over representation of students of color uh within special

077education and and within more restrictive settings of special education uh and and which shows that there's something at play uh in regards to that that that we wanted to to be able to talk about and that's what we're we're trying to do is how do we have conversations in a way that's healthy on a topic that is really uncomfortable hre can you talk about what exclusion is what what what happens when a student ised exposion like where you're not allowed to come to school yep yeah so sorry about that you can go to the next slide um so this is who attended uh I went uh kind of representing the district Colton Monty the high school principal came with us uh Kim Mendoza who's a multilingual interventionist teacher at the high school Lincoln nent High

078School teacher Nikki alcara High School teacher Enrique G ginho High School teacher uh Morgan Rodriguez High School teacher and Alex stto High School teacher so we tried to get uh staff who um were really passionate about it and and um have have been allies for for students and and Advocates um one to to help lead the work so that way students uh knew there was there was people within their own school that could that could help uh based off of the themes we saw so a lot of it was was learning the protocol that the protocol that we've done with staff I've led a lot over the past few years and I for it this to take to take place and to get true change to be more inclusive and to be more racially sensitive

079within our schools we needed uh more people involved and a diverse a diverse group of teacher leaders involved that's who went you can go to the next slide um so our takeaway sorry this is hard to see from the side we learned a protocol a protocol that we've we had dabbled in before but then we really um got better at learning how to facilitate that with others um so that was uh so that way those conversations are are healthy both interracially so between multi multiple racial groups but also interracially so that way with within our own race being able to talk about RAC in a healthy way um that was one takeaway uh the takeaways that that I had a big one was develop a plan to to work with students to address the lack

080of of racial insensitivity that's occurring within our schools um because what what we can tell students we're taking action uh we can suspend students uh you know we can't share who we suspended all that but really with how big the issue from what we were hearing from students was we can do that till we're blue in the face and tell it's students standing up and saying hey we're not going to do this anymore this is not we don't do this in school to their peers that's where we're going to get change um so that was we need to include students in this problem solving process so we have a plan in place and we've started some student leadership some small student leadership teams uh Thor's council at the high school has been working through and

081learning a protocol to be able to talk about it and then to start to take action about you know how do we how do we address this as students uh Middle School is a a little bit behind that and they just started a student leadership team and K that off last week and we did parent um parent permission just let them know that hey this is what we're talking about and any opt out uh if they didn't want their students to participate we have about 45 high school students and about 50 middle school students that are starting that work now so I'm super excited because we've gotten we've gotten from just talking about it with staff to be able to have students talk about it because they're the ones who are saying this is an

082issue we need to solve this um let's see the third bullet down um improve our response plan for when racial language is used in schools um it was we got we got different resources that I'm happy to share with you uh and send that are more development appropriate depending on the level that we use when there's a a discipline incident that involves race and racial slurs that uh ultimately there involves teaching at all time involves some reteaching and teaching and some historical lessons around what those words mean and where do they come from um so we have more resources now how to address it uh another response Plan before to give teachers like when they they get reported hey this student just said the nword to me um teachers were saying like I want to

083be able to respond but I don't know what to say so we gave them specific send stems to say um kind of to to acknowledge that they they heard they heard them what was reported and let them know here's who's going to follow up I'm going to check on you uh the following day and also to once there is follow through with it to make sure that Loop is closed so that way because a lot of it was things were being addressed but the students who were harmed had no uh had no idea of necessarily that anything happened um let's see the other thing that came from it was we learned from districts while we were at this conference was the importance of defining equity and being Crystal Clear of what we mean uh so

084that's something that we are we are working on this year this year is the when we say Equity when we talk about race what do we actually mean what's the purpose and because we're not hiding anything because there's something that's urgent that's happening within our schools that's harming our kids um and then the on a more positive note was to to really focus more on not just the harm that's caused and the pain that has happened um also just to to be more intentional about how we celebrate diversity within our schools and some of those examples have been uh in November we have for for indigenous people's month we have a high school assembly focused on uh uh Native American culture that was student L student planned um and and a different scheme of how

085assemblies typically are and then we just had our Martin Luther King assembly at at most of our sites uh observing Dr Martin King Jr a day just just the last week and the week before and the other thing it affirmed from our district our Norms because this is hard work uh it's uncomfortable work so our Norms as a district are to stay engaged and to not storm out to to to to not check out um that's one of our norms to experience discomfort because when we talk about these things it's they are hard to talk about um to speak your truth so and speak for yourself and then to expect and accept non-closure um we're not going to be able to solve uh racism in our society uh within within one meeting uh or even

086within just our own school just uh within a year so it's something that uh expecting nonclosure and progress forward to be more uh racially sensitive and inclusive has been our goal and then last thing I'll leave you with um if you go to the next slide um is this this came from one of our students that we interviewed last year and this I just thought this was a really powerful quote uh what we tolerate becomes our Norm um and that that came from after her saying our Norm is my Norm that I've experienced in CA as a Latina is uh racial slurs being said to me daily so she said and it feels like it's the norm here and so this has been kind of our our our our call to action say we're not

087going to tolerate anymore and that's not going to be our Norm here in Cela um so with that I I I I think it was a powerful conference and I know any of the people I went with would be happy to talk about um what their experiences were too and so I hope I I did them Justice to sharing what we came back with and I'm happy to take any questions thank you very much Hunter questions from the board or comments from the board thanks for the report though we uh prove those and it's nice to have someone come back and kind of Po what they got out so thank you H thank you very much as as you remember it was especially well timed that we had had that planned ahead of time that

088you would be attending that and it is it just uh bo the statistics and that quote is heartbreaking um but your work is encouraging uh and um I I I know from talking to my kids and from other students that I've talked to from around the valley at yvc this is an issue that's that's common in schools um and um shouldn't ever be uh and so I'm glad zela's working very hard on this do you want to talk at all about the inspiration that was was there any part of it that seemed particularly inspiring or together as a group that you felt moved by that was I I we did a closing circle with our group to kind of debrief while we were still there um and so and it was in Texas and we

089spent I mean it was probably three hours of just um from what we took away when we went in circle in a circle to kind of share what we took away and also to of like speaking into people and speaking into kids was was a theme throughout the uh throughout the conference um and so we practiced kind of like seeing all of our colleagues and what we see in them not just uh like what we appreciate about them and how powerful is that if we could do that with kids so that each and every kid is spoken into by the adults in our system to say I see you this is how amazing I see that you are regardless of all circumstances in your life these this is how great you are um because I

090think I know I have people in my life that had done that to me and that has shaped who I had become and how powerful would it be if we could as a system find a way that we could do that so every kid feels like they're seen and they heard and and they're valued in loveed i i Amen to all that the um the the term you hear a lot in education is engagement but belonging is a really important term uh that I think leads to engagement so thank you to Hunter Colton Kimberly Lincoln Nikki Enrique Morgan and Alex for taking time out of their schedule ought to go to this very important conference thank you thank you uh our last item under Administration is a draft of the school calendar for 20425 uh

091I'll take it I'll take this one I hopefully will be able to see it here a little bit but uh for those of you who have come to know our school calendar there is really little change for next year and I know it's seems strange talking about next year but a lot of our work at the district level is all in preparation for next year and one of the significant ones of those is to publish a calendar so that people uh parents community members and most importantly our students know when school is going to start when uh we are going to end and what goes on in the middle so it looks very traditional as you can see there we our first actual instructional day will be August 26th that is a Monday uh it

092will follow the traditional CA way of doing things of having a 4-day uh week the first week with the Friday off and then the holiday on the following Monday uh some changes uh I'll go back to the end of the calendar because I know that is important as well the last instructional day will be the 10th that is scheduled obviously we know that at times we have weather issues that create cancellations and so that is what is scheduled the 10th of June uh as far as changes to the calendar or revisions that are just minor here I do want to point out on the Wednesday prior to Thanksgiving that's the 27th uh of November traditionally in the district that has been a half day or an early releas day uh we decided that based on

093attendance uh we decided that would be a full day of no school this coming year so no school on that Wednesday prior to Thanksgiving we also have um the the very traditional full two weeks uh at the winter break or Christmas break uh prior the day prior to that which would be the 20th is signified by a half day but then uh the full two weeks with regards to that uh the spring break again the first full week in April uh that's been the tradition as well well to keep that first full week although the week before there's a 4 day four days of April it's really traditionally to be the first full week and that lines up with a lot of other school districts in our area other than that a very very traditional

094calendar for the 2425 school year and uh Kevin when will this be final the final adoption of this be approximately basically tonight if if uh without any concerns that are provided to you in the draft form uh if I don't hear any then we're going to move move it forward as soon as possible to get that out and publish so people can can see what the future looks like do we need to vote on the calendar there's no that's okay no great any comments or questions about the school calendar did you mention graduation like Lo yeah most likely it would be that 7th possibly the 31st but probably more likely the sth one of those two Saturdays but now that this is would be out there as kind of formal then that allows her body

095start planning any other comments or questions I uh mentioned this to Kevin when we met yesterday but um the the more I read and think about um how the what the best education would be uh I I'm I'd like to see us move more towards the balance schedule I like that idea I know it's not universally popular but um I think that uh hopefully as we move past this calendar year 2425 that we can continue to have that conversation with margeting units and with parents and community members because I think there's a very convincing argument that a um a balance schedule is is the best for our students and best for their learning all right um the next item up on the board and then there was one Indie uh we've lost Elise and and

096Lauren and I just want to mention that the district did a really nice job it is School Board appreciation month and the first people that I think were appreciated by the school district were our student representatives to the school board and rightly so uh Indie do you have anything you'd like to report uh as a school board representative from the students yeah uh I do so the first thing I'll highlight is that in February uh our ASP Club at the high school is planning on doing a food drive and I believe that should run the entire month of February and National Honor Society did a food drive a few months back and it was very successful and so we're expecting this to also be very successful so we're excited um I do want to share

097alely wanted to update you guys on her Schoolboard project that the student Representatives do yearly and so she just wanted to let you know that she's working on her project which is to create a faith-based opportunity program to provide age appropriate materials in the schools that students can use or ignore as they choose uh I can't take any questions about that because I don't really know that's all I know about it but I know she's excited about it and looking forward to it and uh you should be excited to hear more about it too um next I just also want to say thank you on behalf of the students um and the student reps during this school board appreciation month you guys are awesome it's amazing to work with you we learn so much from

098you every single meeting um so just a lot of appreciation there and then also a thank you to our transportation facilities and custodial staff on behalf of all the students in the district um during the inclement weather you like they keep us safe and we appreciate it more than they know especially I'm a student driver and that can be really scary in this weather um and so I just really especially appreciate them and their work um and then finally our winter sports are kind of winding down and that means a lot of you know senior nights and goodbyes from senior students who have played those Sports and as the second half of our senior year begins kind of as a whole I've definitely and I know a lot of other students have been reflecting on

099our experiences in this school district um so I just also uh want to extend my thanks to the staff and the board for making it like our experience so wonderful and then I know many students are really looking towards the future and are excited about their Futures and that's all because of you guys and your work and the community that we live in and so just I think as a whole student body and as a senior class like we've really um reaped the rewards of your hard work and we really appreciate that and want to extend our thanks so yeah like winter sports that's when starts sinking in I know it's kind of like it's slowly hitting me here yeah yeah well I know Elise and um Addie weren't Elise left early and Addie was

100was missing tonight to be at senior night for the boy swim team uh which they're close with many of those members swimming with them all summer uh and rooting them on uh uh on their senior night so we're glad they're able to do that and indy thank you for your articulate and heartfelt uh comments from the board and to the board all right uh we are moving on thank you Indie and stick around of course and uh or go do homework either one of those two things uh there's no report this week from the executive director of student learning I believe but we have uh an enrollment update and a couple of financial status updates from the associate superintendent for District Operations Chris gcko yes a short report tonight the enrollment and the we'll focus

101on the most current financial status the December um Stephanie I'll talk about that so enrollment this uh enrollment report is as of January 2024 so I can't believe we're already five months into the school year you can see there that we saw just a slight decline in our enrollment from December to January which is not uncommon in any given year uh we lost 6 FTE um and we are currently sitting at 3654 almost 3655 on average as of January which is just under 7even FTE under projection um so we're holding our numbers a little bit uh just with a slight decline um we also as a reminder to the board we recalculate our Pro enrollment projections and Staffing projections for the 2425 school year using the January enrollment as the yearend average uh for 2324

102because the cohort survival method that we use to project enrollment um calls for an a number for the 23 24 school year and it if you look at any given year January is pretty representative of where we land at the end of the year on average so we went ahead and re- um calculated our enrollment and Staffing projections we met with all principles um this week and uh they're working they're doing a great job working on their Staffing plans for next year so um overall uh we are sitting 14 FTE higher than last June so we're still on the slight overall slight in increase we fully recovered from covid uh I I'm pleased to make that announcement because as we talk to our colleagues and other districts around us they're not all all experiencing the

103same thing a lot of them are experiencing enrollment loss and that's not us and CA just slight a slight loss right now but overall not a loss so I just wanted to any questions on the enrollment good all right the uh financial status updates all right so December financial status update uh a third of the way through the school year so 33% of the way there um for general fund we have received Just sh 30% of our budgeted revenues which is just on track lagging a little bit on the apportionment side but that's due to the funding schedule that the state has so we haven't quite received a third of our state funding from that so that's why that's a little lagging um expenditures we've spent 31% of our budgeted expenditures so we're still under

104the 33% so looking good there on track um and then ending fund balance for general fund of about $9.1 million um for our other operating funds just one other one I wanted to note was our debt service fund um in December we had um our December debt payment that we made we make those twice a year once in December and once in um June so you'll see that coming through there so that expenditure is a little high there with 6 to s% of the way through through that but um just shy of $600,000 in the debt any questions on financials all right thank you very much for your reports we appreciate that update we move on now to the superintendent report and we'll start with the midyear goals report which I think we all have

105hard copies of in front of us correct you do have hard copies you also have copies that I emailed you too I did that so that you could uh hit those links that O show a whole bunch of other information I know it's a lot but I think that's the purpose here is that the purpose of this report is is to provide to you the evidence of the work that we all agreed that we would be doing uh back in August and um this this is a whole bunch of different types of material that I think that I added to this document that I thought were I thought were important for to provide a Direction so that you know that the district and and I as the superintendent of the district are are going in

106the direction that we had all planned on going for specifically for this year uh when I look at I'm going to go through just briefly each of the the goals or the areas of focus goals and areas of focus for me are kind of interchangeable here and so you'll hear me say both both words um in the first one where it talks about the district superintendent will'll use the Viking promise Viking Way and so forth that really is our strateg priorities or or our long range strategic plan and when we set that that was set back in 2019 and the the the area of focus or the goal in this one is to use this year to see if there needs to be revisions made to it and so what I put there is a

107lot of the work that we're doing to get this information about the Viking promise the Viking Way the Viking touch the port of The Graduate and all the things we're doing to improve our district in in the in the responsibility of determining what NE what's next do we continue down the same road that we have with all of these is it time to make some revisions is it time to make some adjustments but the direction that we've been going is all based on what the Viking promised put in place back in 2019 and so approaching this will be approaching five years of this work and it's a perfect time to provide you the information here about what we're doing in regards to each of those but also at some point in time in the coming

108months we're going to have to make some decisions about are those still the priorities of the district and if so do they do each of them individually need any revisions at this time right again I want to make sure that you also know that this is midyear this is only a progress report uh lots of work is still to be done in each of these different areas and number two number two is really about our student academic progress or our student learning it talks about the district efforts to reduce academic achievement gaps without compromising rigorous instruction and high expectations for student performance and I know that was an area that we all felt that really needed some attention uh especially coming off covid I think there was a sense that we lost some of that

109direction in regards to the rigor and the expectations that we we place on our students and in and in turn the instruction expectations that we have for our staff as well and so this one is is again about our student learning and our student academics and I I did want to share with you you'll see not only some of the bullet points there of how we've um how we've reemphasized this but also some of the actions as well those could maybe be you know the college and the high school expansion the pathway expansion that you've heard about in reports the ideas that we're very close to being able to offer our students an AA degree right within the walls of the high school and it's not all about the high school I know that tends

110to get a lot of the focus but but really it's about all K prek through 12 about what we're doing to determine what rigor is what it looks like and make sure that everything we're doing is in in is in the essence of trying to not only reduce the achievement gaps but also don't compromise what we need to do for our students number three is the fiscal responsibility area Focus or goal and I was very we were we were all on the same page in August that we need to have something to guide our work and to emphasize and I can remember uh Chris and I both remember how how that meeting went is that uh Hey we've gota we've got to take some actions here uh to not continue to to spend as we

111have in the past with the revenue that we had in the past those are changing and we need to have some actions to to show that we're we're closing the gap between our revenue and our expenditures and and all this work uh most of it was provided to use evidence as we met with you and gave a presentation uh last earlier this month with regards to the budgetary work there's also a link there is too but uh definitely from fiscal responsibility that we know we've got to we've got to make some changes in the way that we operate in order to get our revenues and our expenditures in line the next one really has to do with our community and how we engage and and communicate with our community and all of our stakeholders and

112one of our our areas of focus was that we will Comm we will lead a communication plan to remote student staff school and District success I think that a lot of the things that we've been working on a lot of the success that the district has had has got lost and uh we can find that and I think it was it was our opportunity with with your support is that we can find ways to show off a little bit more than we were doing I know a lot of this came from like we think we do a really good job of identifying the successes of our our programs and our Athletics and those type of things when our students go out and and receive national attention or or Community attention but there's a lot of

113other things that we should be we should be sharing as evidenced by a couple of the videos I shared with you today about individual students and and what they're doing and and through their eyes uh the idea of a our relationships with our local city council and the work that they're doing to rec recognize our students our collaboration events that we're reaching out to our community but I'm not afraid to say it is that public education as I think we know across our nation is is a little bit under the microscope and in certain locations it's being criticized very uh very directly and in school districts that have a lot of positive things that are happening it's our responsibility to show those and so our community and our parents and our students know that we

114do have good things going on now that's not to say that we don't don't have our fair share of challenges we all know that and uh this is not to cover up any of the things that we need to improve on but it is worthy to show off and so this is really about how we communicate with our constituents and our stakeholders uh to show off what we're doing um school safety is the next one and um I think you all know about me that school safety has been a part of my education career uh as I've watched what's transpired in lots of other districts and had some experiences in my previous districts where school safety um has you know come right to the to an event that that that will stay with you for

115a very very long time uh my career in school safety started basically with watching what transpired with Coline and then all the other events that have led up and and really it some of the events last year uh that we experienced although none of them really came to fruition they did refocus us because they were concerning we had uh as you know multiple situations at the middle school within a very short amount of time that uh refocused our attention as those were going on here Across the Nation there were some pretty significant violent events going on in schools and so that that allowed us to refocus our efforts or re-emphasize our efforts it's not that they weren't important we didn't we didn't you know put it as a lower priority uh but I it it

116didn't it did need the attention of the board and the superintendent to reemphasize this and and what we've done has I think uh re-emphasized that there's a lot of work to be done and and uh I'm not sure we're there yet I I was I have to be honest I was disappointed with uh the amount of community interest but it's hard to say when when people have busy lives and just simply because they don't show up to a collaboration or meeting I do know that parents uh in general and our community in general highly supports Safety and Security measures for for sure and with that um we've done some things this year in order to try to continue to strengthen that one of the effort one of the things that I think is is has

117been um very important to recognize is that we've had a parent come to you and Report their concerns all the way back to last spring after some of those events and and that parent has taken it upon themselves to continue the her efforts in gathering uh community and parents together and they will like uh was mentioned earlier tonight they will be coming back to share uh their research and their recommendations uh to the board later this this spring and uh the last one is not the last one but the next one is really a school-based focus we know that uh uh one of our schools namely in this case uh the Intermediate School had uh had gone through uh multiple years of transition and Leadership and um I I believe that we all were on

118the same page that we want to see uh improvements in that whole school with regards all the way from the leadership to all the way all the things that are identified here we want to see Improvement in stakeholder relationships the establishment of trust collaborative culture a at at the inter Intermediate School and so a lot of our efforts has been done to do that with the direction of the board uh to to see uh if we can uh support and focus on a certain school if actual Improvement is going to take place uh after a year uh as a midyear I think what you can see here is that there are some there are work going on in order to achieve that um I am by no means going to say that we are there

119yet but there are steps being taken to eventually get there uh part of other things just with regards to to that I do want you to also know that uh we are getting support with CIS uh we we have some technical and coaching support from OPI that's going on there as well I think you already have with us that that CIS was identified as a school that needed improvement from the state level and so all these things are coming together in hopes that uh CIS is going to have improvements it's it's an interesting uh School situation because as you know is you can walk through the doors of CIS and you can and you can look around you can go into classrooms and and the instruction that going around going on is fantastic the students

120interaction with the with the adults there is fantastic but there is something there that uh we need to get a grip on and make sure that consistently not only for this year but for many many years to come that CIS can can be the school that they're very capable of being and then last but not least is the idea of our long range planning responsibilities that is a responsibility of the board to be looking at the future of the district and our longrange planning with regards to our facilities one of our greatest assets is up and running and the the goal or Focus area was here was by the end of the this school year is to have a long range plan in your hands and we are on track to to do that at

121this time so with that I know that's a there's a lot of information here if you were to open up all of the attachments there would be probably hundreds of pages of information here and I encourage you to do that I also encourage you to take a look and find things that you may not completely understand or want more information on and then I can provide that to you as well um this again midyear checkin and the next report will come to you at the uh at the close of the year in June or July one of those two board meetings we'll give a formal update on this and then more importantly the closing of this year is not just the end point it's it's how does that then how does the work we've done

122this year with the Focus areas or goals that we've established where do we go with regards to next year and I think this gives us a really good point of we know some areas that we're either going to have to make some adjustments in revisions in or decide that we've accomplished that and move on to something else but I take you for the board I take you back to number one because you as a board your responsibilities are to set and establish the Strategic priorities for the district and we are in five years and are those Strate IC priorities the ones that we want to continue to focus our efforts on or is it time for us to make some adjustments to those any questions thank you very much Kevin questions from the board just

123comment seems like recently we've had a lot of meetings that have taken us off our traditional for from prior nine or 10 years have been involved uh a lot of the budget depended by necessity and stuff and so I guess we kind of as board don't get these answers as we maybe get a more traditional type year where we weren't worried about budget so it's nice to have this put together in this document see that even though our focus is maybe weaned a little bit towards something more pressing at our time that all the details that should be I think it is eye opening to see it all listed together like this and you think man that is there is a lot of work going on that often isn't seen by the public or maybe

124even by the board so thank you for compiling that other questions or comments Andy did you want to ask anything I want to make sure include you before you say anything and I definitely don't mean to say that scho safety is more or less important than the budget what we've been dealing with recently and knowing that this stuff bill is at front and center is important so uh um no I don't think I have any questions just I think it's interesting to hear your guys's conversations and your perspectives on these kinds of things so did you get this list did we did we send this to I'll I'll share it with you here right after the meeting it's thank there's a lot superintendent McKay said any other comments or feedback questions I'll jump right into

125section B which is just my update on what's going on and it's very short here but there are some important events that I think you need to be aware of um we have established a tour of uh the food bank and uh if you haven't been there on your own I would if you can make it on the 30th which is next what's that Wednesday Chris next Tuesday at 3:30 the the staff at the food bank are going to open up for a tour uh for you and so you see the the great work that our community has done uh to support that 330 on that one if you're not able to make that and you want to set up an individual one I'm sure the staff at the food bank would be more than

126happy to have you come come in Indie are the student rep yes absolutely you are I'll there yeah yeah uh facility committee uh we spoke about that multiple times tonight the facility committee is together next Wednesday we had to do a reschedule because of weather uh next Wednesday as Frank mentioned he and Colton are going to lead the committee on a tour of the high school and so they're going to see The Good The Bad and The Needs uh down the road for for any type of things that may be need to be dressed at 6 o' it's totally open to anybody you don't have to be a Committee Member to show up and and and take the tour with us the tour won't last very long uh there's also a possibility that we may

127have some General survey results that we have think Jennifer what you say were we at 90 response yeah 91 responses so that that's good that our our community is sharing some input on that uh and then our next study session I I realized that this is as I look back at last year was was one of my favorites as well is the the principal round table and so our next study session on February 8th 7 o'clock it'll be at CIS this year and it will be an opportunity for the three uh Elementary principles to share with you and uh what's going on in their schools how their students are doing um and uh obviously lots of questions and and discussion from you as the board so Kevin do you have a format for what you're

128asking the principles to present yeah very similar to what we did last year what's going well what's your data look like uh what's challenging you and kind of the the the question of if if you could make some changes for the betterment of your school and your students what would that look like great thank you any questions or comments from the board all right I think we're at the board director's communication portion they' like to speak Derek do you have anything you'd like to communicate oh there we go um well I just uh I know we can't comment too much about what was said earlier in the meeting but I do think that that's an issue that we should address I also feel strongly about it regarding the books in the library and so um

129yeah I think can I I do have a list of some of those books and so I think we got to look at those as a school board great thank you very much other comments okay uh I think we need to now um break for an executive session uh to evaluate the performance of a public employee and we Mark the time is that right and I gavel us out and say we'll be back in maybe a half an hour that's sound like enough time or too much time for the 10 minutes 15 minutes no no no no no it'll take about we have to kind of give a prediction for people uh if they want to tune back in or whatever maybe 15 minutes okay okay so uh we will adjourn for the um executive

130session and then return to adjourn for the meeting overall I thinkk all right and it's now we've got 6:29 will be the time that we're adjourning we'll return at 6:44 thank you very much for coming and uh we appreciate your feedback we'll take maybe five minutes now to just kind of clear the room and do all
