Welcome. It is the 30th day of October and this is the year of our green field 2025. It is 12:05 p.m. I'm calling this meeting of the superintendent search steering subcommittee meeting to order. Um I'm Stacy. I'm the chair. I'm here. Member Child >> here. >> Member Sorer >> here. >> Great. We are all here. We are called We We have been called to order. Um, I've forgotten to do this the past couple of times, so I'm going to make sure I do it now. I'm going to read the chair's statement. This meeting is being recorded by the superintendent search steering subcommittee. If any other persons present are also recording, you must notify the chairperson at this time. Are either of you recording? >> Not on my watch. >> Excellent. Um, there are no members
of the public in in the present in in the inperson office. I don't see any other members of the public on Zoom. Um, and it the settings are such that people should just be able to join. There is no waiting room. So, we would know if they're here. Um, and so seeing that, say we move along, skip item number two, the public comment on our agenda. If persons show up and would like to say something, happy to revisit it in the future. Um, I would look for a motion to suspend Robert's rules. So, >> move second. We got a movement and a second from Jenny. All in favor? >> I. >> All right. Great. Um, so now we are can have free discussion. Um, moving into the status of community needs assessment outreach. So, how's
it going? Reaching out and and putting up blasts for the focus groups and stuff. I think I've seen that Jonathan is basically all over it. >> He's great. >> He's doing a very good job. And thank you everybody else. >> Yes. So, I feel good about that. I'd say, you know, if you've got those personal contacts and you're and you just want to make sure that people know, activate your phone tree is the only other thing that I can say. Um, the more the marrier. And I can confirm for the parent focus group on Monday and the community focus group on Wednesday of next week. We will have child care available. >> Nice. >> Yes. For free. Free child care for folks. And we will have food of some kind available. So, if hunger is
a thing you're concerned about, this is a place where you can go and get get a, you know, at least a dinner. Um, can't promise it'll be anything more than pizza. But sometimes that's enough. Um, but that is that I just want to put that out on the record so when people ask and when you start talking to folks, you can tell them >> child care and food, child care and food, two of their biggest >> Thank you. >> needs that they they indicated. So, >> great. Um, anything else on that? No, thank you very much. >> Perfect. Um, status of screening committee recruitment at outreach. So, those blurbs should have gone out roughly the same time. >> I did receive from the school district as a parent the text message telling me about the
email and clicking the email got that letter that describes the committee makeup and uh obligations. So it all reached me on the parent side with no problem. >> Um and I know we have we have already started receiving people who are interested. So, we're getting out there. People are interested in serving on this with us. >> And we, the three of us will be taking a closer look at all of those letters of interest next week when we meet and we will be presenting our recommendations to the full committee for the November 12th meeting to actually appoint all of those other people. And then we'll start having big meetings. That'll be fun. >> Yes. >> Um, anything else on that on screening committee? questions or >> Well, roughly how many people do we have with
letters in so far? Just a few or >> Yeah, I'm talking like two or three. >> Okay. So, definitely still early. We still want more. It's not like we're being flooded. >> So, still text people and tell them they have to do it. >> Still Yeah, you have to fill it up. >> You you you absolutely cannot get on here without at least letting us know you're interested. We're not just going to hand pe handpick people and put them on there. Maybe unless you get really desperate, but I'm hoping we don't get that desperate. >> Well, if we get that desperate, it would be more of holding someone's hand while they write their letter and less of the conscription. >> Exactly. Um, but I'm, you know, I'm excited. I've heard from both parents, uh, and
I've heard from staff members, so I think we're getting a good good range of folks hopefully. Um, great. Anything? Anything else? >> Um, has this made it to Facebook? I am not on Facebook. I am also not on Facebook, but I can definitely double check that with Becky. >> Okay. Because if it hasn't made it to Facebook, then I'll hold my nose and reactivate in order to post it places. But it would be a good idea for it to come from our official page. >> True. I was just thinking in terms of the parenting and community groups, but are the community I don't know. I don't know. Yeah. Yeah. Well, I suppose getting the word out won't hurt. Getting the word out won't hurt. That's um any anything from you, Jenny, about that? >> No.
>> Okay, great. Um All right. Uh again, I had an item here about discussing the status of superintendent applicant outreach, but Judy not able to be here right now. I think saving up her hours for the focus groups next week. um best of my knowledge it's going fine. I have not actually heard I don't have any numbers or I haven't heard of any problems. So >> um great. And then next week we our next item we're moving right along is determining items that should be on um our subcommittee agenda for next week. So that also involves looking at opened um involves looking a little bit at our timeline. I think really the biggest thing that's going to be on our docket is us reviewing those letters of interest and picking our our desired screening committee
member >> and what day is the due date for those letters? >> The 5th. >> So they'll get everything on the 5th. we will have like I I really think we're going to take our full time with this meeting to just be looking. Um I will send an email right and either like you know 11 p.m. or something on Wednesday or bright and early on Thursday the 6 with just saying here's where you can find all of these letters of interest. Please take a moment to read through them. They are in the Google Drive folder which was previously shared with both of you. So you have real time access. You could go in there and look right now if you >> Oh, I forgot that. Yeah. So, it's [laughter] all it's all there for you
should you want it. Um, >> no, I I I know. >> Yeah. But I think that that's our biggest agenda item for this small group for next Thursday. >> Okay. >> We'll forward that to well, we'll basically have our nominees. We'll send that as an agenda item um and vote to be had at the full committee on the 12th. Um and then we go to then we'll be in it. >> Yes. >> Um and then yeah after that uh then the work begins of just like really nailing down schedules and getting the trainings going, making sure that we are good with applicants um etc. We're kind of we've reached out of like we had a big hump of work and now we're gonna have a little bit of work and then >> and then a
lot more work. >> But yeah, I think we're naturally in okay spot. >> Um that was it. Are there any items that I could not have foreseen being on this agenda that either of you would like to move up into this? So for next week's agenda, it's literally going to be just discussing the candidates and picking who we're pushing forward to the full committee. >> Um so we'll be an executive session for that. >> Yes. >> Okay. Yes, we will. We'll have to start in a regular session, but then we will move ourselves into executive session. I mean, it would be good if maybe we could have a report, even if it's just written in advance, from Judy about either the superintendent candidates we've had or how the focus meeting, focus group meetings went. >>
Great. I just but I worry because I wouldn't want it to be long or something that we spend a lot of time discussing because we're going to be doing the real big work of picking and makeup of the committee. >> A written report might be sufficient. >> Yeah, I think a written report give us a status update. >> Um and then if there's anything concerning, we can discuss it then. But hopefully it'll be just Very right. Yeah. >> Um and I also want to just make a plug that there will be a pretty short tide turnaround between um Judy's gonna finish doing these focus groups and also looking at the survey data data that's coming in simultaneously and we'll be compiling all of that into a community profile or profile for us and that will
be happening before December one. >> Yes. So, we're not asking for the profile early, just the the claim notes, highlights, >> major note. >> Well, especially if there's something that comes up a lot that we need to make sure is represented in the search committee makeup. >> Okay, great. Um, thank you for that. Any any other items, folks? >> No. >> Right. And I'm just noting for the record that no members of the public have joined either online or in person since this meeting started. Just noting that. Um I would entertain a motion to adjurnn. >> So moved. >> Second. >> Great. Um all right. All in favor? >> I Great. Thank you very much. Uh this concludes this week's meeting of the superintendent steering subcommittee meeting. I'm stopping the recording.
