And the next item on the agenda is an update from our superintendent. Good evening, Mrs. Franchel. >> Good evening, everyone. It's hard to believe that we are in the middle of August, towards the

003end of August, and school's going to be starting in a week and a half. Um, I hope everyone has enjoyed their time off. Um, I know we have certainly been very busy getting ready for the start of school. We started tonight with our tours of the buildings. Um, starting with Park AB and then headed over to the middle and ended at the high school. Um, I hope you can see all the work that the custodial staff um, and administration and our IT staff and our food service staff have done over the summer. There's been a lot going on. There's a lot of activity going on in the summer. Um we've had a lot of construction going on. All of our buildings are being used for summer programming um with our past program, our special ed

004programs and so there is a lot of navigating the buildings um to make sure we're cleaning and maintaining um our buildings. So I just want to give them a huge shout out and huge thank you for all their efforts and hard work um as we get ready for the school year. We still got a little time left and we still have some things to finish in the buildings. Um, but I'm confident that we will get there and be ready for the start of school. Moving on, I'd like to move into a personnel update. Um, we have no retirements at this time and I'm happy to announce some new hires. Uh, we have a new, uh, assistant principal at Parkav and Eric Glazier. Uh, we have new preschool teacher at Parkav, Jessica Simstead. Anita Clutter is

005an ABA at Parkav. We have Na Gerus, a grade eight science teacher at Webster Middle School. Joanna Chase, a par professional at Webster Middle School. Christian Manazi, an inclusion teacher at Bartlett High School. Miguel Rivera, a parah at Parkav Elementary, and Lloyd Man, a subsparate therapeutic teacher at Bartlett High School. I'd like to welcome them all to the district. I've met with all of them, and we're excited to have them on board and ready for the start of school. Uh we have received a few resignations of Paris and ABAs at Park and Webster Middle. Um and so those positions have been posted. Uh we'd like to thank them for their efforts. We are following up with all of them to say why they're leaving. Mostly the issue that we get is they just need more

006full-time employment um money typically is the issue. Um, moving and moving forward, I would like to announce a transfer. Um, Miss Samantha Boddet has been moved from an instructional coach at the high school to the new assistant principal at Webster Middle School. U, Miss Bodet has been with the district for, I want to say, about 10 years now. Um she's also a graduate of Bartlett High School and um is very dedicated to our district and is going to be a great asset to the team at Webster Middle School. Um she has a very strong background in math. That's her thing that she loves so much. Um but she has been critical um to the work that we've done with our instructional coaches. Uh we'll miss her as a coach, but we're thrilled. I know she's

007going to make an exceptional assistant principal. So, we're excited. Uh the middle school team is very excited to have her on board and um you know I feel really good about how we're starting the year with our staffing. Uh if we could just get our instructional assistant pool up in our ABA pool we have been hiring. Um but hopefully you know we still have some deficits there that we need to work on. But other than that we have uh our classrooms full and we are ready to start the school year. Are there any questions about staffing? U moving on to management and operations. Um once again I'm back in the habit of reviewing policies. This is going to be a practice that I plan to continue throughout the school year. I'll be presenting some at

008meetings. It's going to get to a point maybe midy year um if we have to get a little committee together to review any of the policies at the school committee. [snorts] Um, there were a few school committee ones that really I would want you guys to look at. Um, so we might want to develop a subcommittee later on when we get to that point. What I'm trying to do is just make my way through all of the policies and then we can anything that we need to create teams to develop or things like that, then we can schedule those teams and do it with groups. We break them down and then make sure we have everything there. Um, but I am working through them, reviewing what I can, and marking what I need um to

009put on the side for us to tackle again. But we'll be addressing some of those later on in the meeting. Um, as you can see, summer has been spent getting our schools clean, maintained, and ready. Um, I do want to give a huge shout out to Mrs. Kontos, who's not here with us tonight. Um, she's on vacation, which I hope she's enjoying um before we get back in the grind there. school. Um but uh you know the teams the custodial teams were short at a couple of our buildings. There was a lot of coordination this summer um just with project and cleaning and maintenance. Um and she has worked with the teams um very closely to make sure things are getting done and things keep moving, the grounds are getting mowed and cleaned. Um I

010I am happy to say that we have full custodial staff that um teams are full now and working well together. Um and the groups are very excited to have their teams full and um we really were able to get some great qualified candidates. So we're excited about that. And then moving on, tomorrow on Wednesday, August 19th, we are having our full DLT ILT summer summit that is going to be held at Nicholls College. Um it'll be held there all day from 8 to 2:30. Um this is a great opportunity for our teams to work together uh and really take a hard look at how we want to start the school year. What do we need to do to start the school year? It's a great opportunity for us to pick up where we left off

011to say what did we do last year, what did we finish um and how that incorporates into our new school year. We have our strategic plan which is um going to be a big living document for us um over the next couple years. It we don't want this to be something that sits on a shelf that we want to live this, practice it, and work towards everything in that plan. So, we have some time cut out tomorrow um to review that plan. Um just because we don't have an instructional priority anymore doesn't mean that the work that we've been doing over the past few years just stops, right? It needs to continue and grow. Um I don't know if you want to talk about anything about tomorrow highlights just uh >> just highlights. Um thank

Um so we are one of the things that we changed up for this year is we also included the grade um grade level leaders department heads because this has always been an ILT uh only summit with school-based admins um but we realize that there are other teacher leaders um that are also responsible for some of this work. >> I'm sorry. Um so we added the grade level and the uh or department heads to the ILT summit uh for tomorrow understanding that they are also school leaders. Um as a reminder our three big um priorities are um safe and supportive instruction and family engagement. And we hope to draw through lines between uh the work that we had done last year. We had articulated three instructional practices last year. We got through two and we'll

013continue um with the last one called checks for understanding tomorrow. And we're going to work to help the teams see the connection between how that lives in our strategic plan in the instruction bucket so that it doesn't seem like we did that work last year that's over and done with like what what was just said and um that it fits into the context of our strategic plan. Um we're also going to provide some PD for our um for everybody um around facilitation of meetings because um uh we all facilitate meetings at our level at the school-based admin levels and the teacher leaders in front of the other u in front of the other teachers and that was something that had come up as a need and so we were able to fit that in tomorrow

014which we're really thankful for. Um, and then they're going to have some time to work in the afternoon on whatever part of the what we've been discussing will help them be ready um, and articulate some commitments to start the year. Um, what they hope to to accomplish during the year. Um, so that they always appreciate that working time together. Um sometimes the schools don't as this larger team don't work don't we don't always have time for them and so we've made a commitment to do less talking and more working you know it's going to help structure help them set up the structure for the school year um because that's something new that we've taken feedback it'll give them an opportunity to work as a team because typically their ILTs don't start until the school year

015starts you know it starts one of those afternoons a Tuesday afternoon or something when they start having their meetings so this will give them an opportunity to say this is how we're going into the year and these are the things. So when coming in on day one, they already have in their mind what what we're looking forward to for that year. So I think um I think it's going to be really good. I'm excited to get feedback. As always, we do a survey at the end to say what could we do different? What could we do better? Um, we're trying to listen as much as possible and to give back and to make this distributed leadership. You know, if if we're going to make change in the district, we all have to be working together.

016Um, and that's our goal for this year is to be team working together and listening and making sure that the communication is two-way and it's back and forth consistently throughout the year. And um that's something that I have to figure out for this year because one of the things I'd like to do and I haven't figured out how yet is the timing of it is uh we always start the year with these meetings. We have a great meeting with all of our ILT. The feedback has always been very good and it's very helpful. They appreciate being included in here and heard. But how do we touch base in the middle of the year and the end of the year also to make sure like we're checking in with the entire team. What are we working

017on? Is what we're doing. Do we do we feel like we're hitting all of our marks? Are you feeling heard? Um so just it's easy at the beginning of the year because I can schedule it before school starts, but during the year we don't have the time typically at our full PDS. Our PD is done. We have two full days in October and January. And then where do I find that time with the different schedules to get the entire groups together um during a day? So that's something I'm trying to figure out because that's something I would really like to do is to get this team together that's meeting tomorrow together again in the mid year and then together again at the end of the year. So we have check-ins. So it's during the year

018you know it's distributive it's coming from central to principles who's working with their team leaders and the feedback should be coming back up but where's that touch base as a group again to say how is this working? What are we doing? Um, and just to have that together voice that we're this is our work and we're all in it together. It's not one person's work. Um, I think that would go a long way. So, I just got to try and figure out how to make that happen. That's something that I wanted to do last year and just couldn't couldn't get it together during the year to do it. So, I just have to be creative and scheduling sometime and see if I can figure that out. So, that's on the to-do list. Any questions about

019that? And also, I have a little bit more. I added a couple things because I did the notes before I went on vacation and so I was catching up a little bit when I came back, so they weren't as complete. Um, there is a lot of training going on this week. We have two days of safety care training. It was going to be held here. We moved that to Park A. All of the training this week has been moved to Park A. um for that. We also have I have a safety meeting scheduled for Thursday with our um chiefs around the town to make sure we have our initial kickoff meeting. We're going to talk about our fire drills, our evacuation plans. I want to get things on the calendar and scheduled um and make

020sure we have all our ducks and for the school year. So, um that'll be held uh Thursday at 1 um with our departments. So, I look forward to that. And then on Friday, we have um a parah educator training set up an onboarding for all of our new paras that have come in over the summer. So we'll be doing that on Friday and then we have new teacher orientation Monday and Tuesday of next week. Um so we have two days of that and then we have staff coming back on Wednesday. Um we will be holding our kickoff in the auditorium on Wednesday. So, um it's going to be this stuff going on every day from now until um kids come back on Monday the 31st. Um so it it's ongoing. Uh Webster Middle School had

021their open house today that ran from 12 to 2 for the fifth graders. We had a lot of fifth graders coming in. Um Dr. Mai and I went over. We met some parents, talked to some families. We had some fifth grade staff come in to meet the students. they were getting their schedules. Um I know Miss Peterson is going to be posting schedules for other students on Thursday. Um as we'll be tied up all day tomorrow at her summit and then on Thursday from 5 to 7, Bartlett is having their freshman um night here. So that will be by then all of the madness you see out in the parking lot will be taken care of. Um the paving is supposed to be finished tomorrow. Uh, and the striping will also be finished tomorrow. They're

022going to be doing the new section there tomorrow. And then tomorrow night, they're going to be finishing the main entrance. So, everything should be um finished by tomorrow night. I was told that the fencing and everything will be cleaned up and walkways will be clear so people will be able to access again because I know it's been uh a little crazy with families trying to come in to register. Um, staff, you know, they're doing interviews. Um people are we're getting a lot of unlost phone calls. So we've just had to manage and go out and meet people where we can find them. Um give directions um but I think we'll be getting back to some normaly pretty soon. Um so I look forward to that. And then um that's all I have for management and

023operations. Are there any other questions there? >> Any questions for me? No. Okay. Then moving on under other updates, uh just uh a reminder that National Night Out is August 25th. That is usually put on by our local police department. Um that'll be held down the beach. I know we will have a couple tables. The school department will be represented at the service, adult education, and many of our other town departments. Um so if anybody wants to come down visit, they can stop at our tables. We'll have we have some little goodies this year for the kids. We'll also have our school calendars and we're always there to answer any questions parents might have. I'll have bus lists there. Um, you know, so if there's questions or concerns, I'll take notes and we'll get back

024to them or we'll answer any questions we can. Um, but that'll be happening on August 25th. And then just um business is picking up as usual. Uh, I have my first board meeting of this fiscal year. that'll be held at CMC on Thursday morning uh in park. I'll be in Worcester for that meeting. Um and then those will be ongoing monthly meetings throughout the school year. Um I'll also be starting up Southern Wister County. I think those aren't happening. Their first meeting is in September. So um and those will also be happening monthly that I'll be attending. And that's all I have for now under the superintendent report. >> Thank you, Mrs. Granley. 025uh building leaders who posted the walkthroughs this afternoon and all of the uh custodians and other unsung heroes that made the buildings look the way that they did for our walkthroughs. I understand that there's still some things to be done. Um the buildings largely look staff ready and and once staff get in there, they'll be making it um student ready. So, very exciting. And uh all in all, I think things look really great across all three buildings. So, >> yep, we will definitely be ready. >> Yes, I have every confidence. And then I just want to extend my congratulations to Sam Boddet on her new role as the assistant principal over at Webster Middle School. >> Y that's a wonderful addition to that team. >> Absolutely. >> Certainly a big loss here at Bartlett, but

026wonderful addition. So, >> she's very excited for the opportunity. this is something she's been working towards. So, we're happy to be able to support her and um promote that internal world here in the district. >> Yeah. And what a full circle moment to go from student to staff to administrator and you know the district where you studied. So, that's great news. >> Yep. >> So, thank you for those updates. >> And then the next item is the director of finance and operations report. And it sounds like you'll be relaying that for Miss Ktos this evening. >> Yes, I will. >> Great. Um and I'll just give a high level. So, it has been uh an extremely busy summer um for Miss Pontos uh FFN. So, as you can see, we've had a lot of new

027furniture just by looking around. So, all the new furniture deliveries are complete um once uh everything is in its place. We will be doing a gap assessment um to see if there was anything that we need that we didn't purchase. You know, what do we need in rooms? Are there areas that are missing things? and we'll take a look at that to see um where gaps are and get some stuff items ordered. We were holding money in the building project in case there were things that were missed along the way that we need to fill for our classrooms. So, we'll be doing that. Um as you can see outside, the redesign of the bus loop um including new curving and sidewalk has been completed. The milling and paving will be wrapping up tomorrow by the

028end of day. I've been promised this twice today. So, we'll see. Um and they will be doing the permanent um they'll be doing the striping um following the painting tomorrow. Um we did want to point out a safety feature that you'll see around the lot as you come in the driveway. Now, uh if you're familiar with the high school drop off, um for students, the parents were asked to pull into the left where we had the students and traffic was going by to the middle school and that was always a nerve-wracking um spot for us because we didn't want any students um you know getting hurt or hit or anything like that. As part of the project, there were ballards installed um through that way. So you'll see these big metal um beams in the

029road. There's probably about 10 of them uh that are in the middle. So now parents will be pulling inside the ball. So when students are dropping off kit, traffic cannot come into the lane. So it's a safety feature for the kids. So um we are excited about that. That is going to make a big difference. It makes me already feel better when I saw it because that was a nerve-wracking I was always worried about it. That was one area that I was worried about because there's a lot of traffic happening in the morning and unfortunately, you know, people are distracted when they're driving at times. Um, and although we know the schools, we ask people to go slow, people are in a rush. So, this is a great um, safety feature. So, you'll see that

030out there if you want to take a look at that. And then this past week we past weekend um starting on Friday we had a power outage because they had to cut over the power to the new main for the high school. So they cut the power down on Friday and it was actually the work was completed at 4:30 today. So that at the high school they had emergency lighting. um we had internet and we had cables running um extension cords running into other areas that kept the IDF rooms up. So we had internet in the modulars because it runs off of the high school. [clears throat] So they did that um since Friday over the weekend. They worked through the weekend and then they finished up today. Um it wasn't without its moments, you

031know, coming in and not having um certain power in certain areas or internet down because of inadvertently things not working, but um the IT staff are on board working with the builders and the contractors and the electricians to make sure we have an issue. Let's get it up and running. We have people here that are still working. Um it's a construction site, but it's also a site that we have to come and work every day, right? So, we have to make sure both of those things are happening. Um, so we got through it. We got through it. We are back on permanent power now. And, um, knock on wood, that's the last power outage that we'll have to work through on this project. Um, I was also promised that today when when I was cranky

032this morning because we didn't have internet. [clears throat] So, we have that. Um, are there any questions about the project update? How are we doing on our timeline? >> We are right on time. We are right on schedule. Um all the site work will be done for the start of school on this part of the building. The fence will be moved. Uh the building is moving along on schedule on time. Um we plan to it plans to be completed by early November. So we're happy with the progress there. Yeah. And the intention is to move over Christmas break because we won't we don't have a long enough time off between that time. So even though the building will be done that'll you know we're not going to have time to move the school. So we'll

033do that over Christmas break. It will give us an opportunity to get into the administration office and maybe clean up some of that area and paint because that's been since 2018. We know that has shown some wear and tears. Some things we've had some minor leaks and stuff. So hopefully we can address those things before we make the move back and refresh the school committee room. I know we wanted to clean some of the carpets there and do some painting. So that'll get cleaned up in that November December time frame when once we can get back into the building. >> Great to the chair. >> Uh members correctly. I just have a question for so because are students going to be is the library going to be functioning not until January for the students or

034are they going to have access to this space? >> Uh they can they can have access but I don't know how much it's going to be used. We we don't have a librarian. We have to get through the books and we'll have to figure out some time to go through somebody to go through that. So that might be a summer project because I don't know that we can get it done during the school year. >> Right. >> Um to get things back organized, >> right? So that's going to take some time. So I I know they were not planning on using it until January. So as we're here >> Well, that's what I'm thinking. I'm like I'm like how is they going to break this down every, you know, time we meet or >> Yeah.

035No, this will be set up. Actually, Desiree and I came over today and because we had planned for this to be set up and all the furniture was in here and we're like, "Okay, where are we going to meet now?" So, we had to have guys move the furniture out so we could set this up. And this will stay set up like this until we have the room. Yeah. But we are going to have to figure out, you know, we have a librarian. We have an English teacher who is a certified librarian here, but she's teaching, so she's not going to have time during the school year to do to or go through the books and organize and organize the shelves. Um, they did before they took them. went through everything and weeded and got

036rid of what was old and stuff. So hopefully everything is good, but um there's still a lot of work to do in here. I'm thinking it might be more of a summer work, summer project. Maybe a volunteer project with kids and stuff like that I think would help. That would be a great thing to set up. >> Could be a good source of uh community service hours for Absolutely. middle school and high school students. >> Yep. Yep. >> Um moving on for maintenance. Uh as I reported earlier, we have hired, we are fully staffed in our custodial department now. Um so the teams are happy. Uh we did finish uh we noticed I pointed out the LED project lights at Park A. So that's been ongoing. Um we do have some HVAC work at Park

037A that I reported that still needs to be done. Um we have some rooftop units. Um work includes swapping out and adjusting components such as wheels, compressors, belts. So everything's getting a good work over just updating. Um so hopefully when the staff returns the rooms will feel cool um with air circulating appropriately um and working um we saw the cleaning so I'm going to skip over that and then I'm going to move on to other updates um for the upcoming school year. our transportations, our bus lists, our student assignments have been completed. They're going to be posted on the district website by the end of this week and might have already been up there. I'm not sure. I was talking to them today. And then we have a kickoff meeting for our custodian which is

038going to be held on August 27th. Uh, as always, we provide a refresher training to outline expectations of the roles. Um, I also know Miss KTOS has been very busy with closing out the end of year. Um, she's doing all of the end of year expenditure reports um for June 30th grants. Those have all been completed. She was very busy before she went on vacation um closing out all the grants. There was a lot of work done there. Um, and I will say that I I want to give her a shout out because I was talking to her and she was feeling anxious about being behind and I had to tell her, remind her, you're ahead of where I where I would have been at this time because you got to remember we're not only

039just doing financials, we're doing maintenance, we're doing projects. There are a lot of things going on in that department. There's a lot of oversight for things. So, um, she's done an exceptional job keeping things moving. And then on the technology update, uh summertime is also a time for work. Um the guys are very busy. Um going through all the technology in the district, refreshing things. Um we have our student Chromebooks come in as always. We have our recycling. We've replaced grades 1, five, and nine. They all get new brand new Chromebooks. And we also replenish some of our faculty admin um laptops. We have a standard refresh cycle for four years. So about 25% of our staff um will be getting new replacement laptops. Um and that deployment is scheduled to start on August 27th.

040And I do want to thank our tech team for their work over the summer because this is a time when projects are done and they are very busy. So I just want to say thank you for all your efforts. Um, again, we wouldn't we wouldn't you just don't realize the work that happens over the summer. You know, things just seem to happen. You just, you know, unless you're there and you see it every day, you realize the amount of work that gets done. And then another change that uh we are making on the technology side is our district call attendant. So when you call the office it would always say you know for one hit the business office for two hit the superintendent's office and it would go through the list. We are now uh

041you can still call and get a department menu if you know what department but we're also doing a service menu. Sometimes people call and they want to speak to somebody in transportation but they don't know transportation's in the business office. they don't know where to go for that or they might want to do something for work permits or um also we are creating another tree that'll be for the service. So when you call you can either choose a department or a service so that'll help guide staff help guide families to the right place for people who don't know. Um, so hopefully it will help streamline things for families and be a little less confusing when they come and they're not feeling like they're juggling and getting tossed all over the place uh with that. So

042that should be that is going to be recorded and it's all done um set up. So, I'm not sure if it started, but I think I know it was all recorded and done. Um, so it should be rolled out shortly. 043about fundraising? Okay. Under new business, um, we have several policies to go through. I'm going to take these individually. Um, the first one is policy G E BC, gifts and solicitations by staff. That's the first reading. >> Yes. So, in your packet, you should have a copy of the old one and it says 2003 on the bottom. That's the old. And then we have the new one. It is updated with the current laws um for GIS for staff. one didn't address that. >> Um, I invite committee members to jump in if you have questions or comments about any of these. I won't ask for them after each policy, but if there is something, please speak up. Um, the next policy is ICA, school year, school calendar. It's the first reading there. >> So, again, you

044have the old policy and the new policy in there. and it was updated with the um to include the 185 days uh for the school district and it also included language for breakfast in the classroom. >> So which we didn't have prior which we've been doing for many years now. >> Thank you. Um the next is policy ID school day. But this was one that we did not have. So this was from MASC. It's a brand new policy. Um and something that um was a recommendation by NASC. The uh next policy is IHMC HIV AIDS and the recommendation is to delete that policy. >> Yes. >> This is no longer applicable. >> Mhm. The next is policy I JA field trips. It's the first reading and the Go ahead. >> Yeah. Uh I'm sorry. >>

045I was just going to say the next one is the deletion of the policy JA1 which is also a field policy. Yeah, this was a little confusing because in the school committee policy there was an JA and then in the policy book was an J A1. Um and >> another one also J AE. >> Yeah. But there were two J they were both approved and but they were different. >> Okay. >> So I think what they did is when they updated they made it a one. I think um at some point that must have happened. So the goal is to delete these three and then replace with the new JA. >> We'll delete two I believe, right? And the other piece has to do with the amount of time and effort that's put forth by our staff, particularly our high school staff, but really everyone to pull off graduation. And to have to not have things like setting up chairs and worrying about rain and things like that taken off the list of things to worry about, I imagine would be a welcome continuation. You know, how can I help you do that? Um she supports the arts so much. Um so she made this donation and I just want to thank her. I told her she has a ticket to our first performance here at theater and I know our um theater director, Miss Daniels, is was thrilled with the donation. Um

059it's going to help them pay uh as you know because theater is all by it's a club, right? It's a program of club. So they make their money through performances and they haven't had that start.
