public comment we have any okay capital improvement plan okay so i sent that to everybody today i hope you all had a chance to look at it i can walk you through it um i left just for for purposes now of us doing this exercise in the coming months i left the first column on as what was approved this past year so that was the uh the plumbing fixtures equipment at the high school a hundred thousand dollars for the um for the uh boys locker room and three hundred forty six thousand dollars for uh exterior windows and doors and then the electric service at the middle school so dan and i actually met this morning and went through the rest of the plan and we didn't make a lot of changes to the outer ears

anyway um we did decide and we had two objectives with this uh so i should start from there we want to make the plan something that is effective for us and make it something that is manageable for us so we don't get in a position where we have so many projects ongoing that we just can't handle them all so we deferred the high school outdoor lighting we've done some repairs on that and we we think we we're good enough to we don't need to do that in this year and if you notice from last year's plane it was on in the first year and and it got deferred uh by either board of slacker the board of finance so we pushed that off a little bit um i left a blank in year one for

the boys locker room because over the course of the next few months we have to decide what we plan on putting in there for that how much of that project we plan on going for um i think the intent if i you can correct me if i'm wrong the intent of the board of finance approving one hundred thousand dollars was to have another crack at the design yeah i don't know if that's something that the committee wants to do or not i mean we the first go-around um tech done was the lowest qualified bidder so we spent the money on techdon right yeah all right how much did we spend on them for the design do we recall what that was well they didn't no we didn't know we had like sixty thousand sixty thousand

approved i think we've paid them about ten thousand so far and they're submitting a bill for another part of it but they didn't really get to do all of the design work to you know the the the deal was to get it to where it was bid ready so they haven't we haven't decided on which way to go so they haven't done all that work gotcha thanks so we'll have to figure that out so maybe in a future i don't know if we need more input from the high school folks i think we know how they feel about it but we certainly can invite them to a future meeting if we want to dive deeper into that project again we increased we had paving for um the high schools we increased that to three hundred

thousand dollars to accelerate the project and before we finalize this plan we'll get an estimate of how much it will really take they did a really nice job over there i don't know if any of you have seen it i did looks great yeah we added replace high school library air conditioning for thirty five thousand dollars into year one because that's a need that has just emerged is it like not working or i think it's still working at the moment but uh getting close to the end closer than we're comfortable with are they like units or is it um so i believe it's rooftop unit okay we accelerated the high school roof replacement for the guidance area into year one and we put an estimated of 250 which is slightly higher than the amount that

was specced out four or five years ago as an alternate for the high school roof job so but we will get an estimate on that so we'll have a real a solid number in there before we bring it forward to the board of ed and then down in wisconsin we added replace the middle school seminar room seating for about twenty thousand dollars because that's again that's something that wasn't identified before but is uh apparent that needs to be replaced is that all the seats or just some of them it's all of it oh yeah and we basically aside from the couple things that we advanced or added to we left the rest of it alone at the moment it's still going to take more and i think you you probably all know that we during

the past month or so none of us have had time to get in as deep into anything of our jobs as we'd like to right with all the reopening stuff so we we did spend some time on it and i think we need to spend more time on it but it's a starting point so does anybody have any questions on that um should we start prioritizing some of them you know i'll let you guys keep those numbers out yeah i think we should if we if we're going to be in agreement that these are the ones we want to bring forward and again we need to come up with what the uh the number will be boys locker room so we're kind of just i'd like to have dan here for that conversation too but

i think you know the paving is certainly a priority i i don't know what the committee's standing on the if you look in the high school the fourth line down is the design construction of outdoor restrooms food service and storage 100 000 which gets deferred every year i don't know if that's something i know you know if you ask the post at the high school they certainly want to keep it there so i don't know if it's if it's worth continuing to to do that or not yeah is that is that something i mean i don't know we have to make a decision tonight but for conversation purposes is that a um issue that we think is something that if we're going to pursue the locker room we pursue that rather and we because that

would give us at least some access to bathrooms in the building for sure i was wondering is is there any like aren't those sort of part of the same project i i would i don't think so can i just no because it's uh the the field the field house that we would build which would be a you know field house bathroom storage uh concession even uh right ken yeah kind of out and back between all the fields yeah kind of kind of out back by kind of near the scoreboard maybe between the softball field hockey and football field exactly yeah over there accessed from all the fields you'd have access all the athletes after school could use the facilities um there could be electricity there um great for visitor and home guests at games um

clean okay get the get the uh the concession over there too so then we wouldn't have to have the the old concession behind the uh bleachers in use that kind of a thing that's the thoughts there so it is so a debbie is different sorry long answer yeah no i think i because i was thinking of restrooms that access the locker room but are accessible from outside i was thinking all part of the same well i mean and then we kind of i think we kind of weigh it next to the locker room you know i don't i don't know if we can justify doing at the same time you know what i mean um i mean the locker room has you know joy you brought this up you were the whole committee was behind

it but you really talked about the programmatic needs not just the athletic needs of the locker room right right so in the weight room and the access you know that brought up to the facilities i mean we at least get facility access for public and for after school but it just upgrades everything for phys ed and health and the workout rooms and all that um title nine knee ask you know it hits those things um whereas the the outbuilding does not um it could to an extent but it's not part of those kind of things so again you know when you really ask the the want versus the you have to really mean i think the locker room is definitely more of a need um free i don't i don't feel like i can justify

you know the outbuilding with food service and storage without doing the locker room should we put it off a few years maybe or something like that what do you think i would suggest keeping it on the plan just so it's on everybody's radar but moving it out a year or two okay you guys comfortable with that yeah i'm comfortable with that you put it to year three and leave the locker room on year one i was thinking of putting the design money on year two because i'm here okay i'm fine with that and the actual money out to a year four or five okay gotcha we definitely want to um last time we discussed the um the roof for the high school about the guidance because we have that now that would probably be on

the one hand that would be number one i think so i would agree for the high school it's probably the roof and then the uh library air conditioning is probably number two and the paving is probably number three so what did you know uh can you know the additional paving where is that going to be i think this was to do the um the s student lot oh okay yeah i like those three priorities like that yeah i think that makes sense roof air conditioning paving i like that and then move the uh the um the outdoor restrooms designed to year two and then move the cost the actual cost out further yep now um i don't know if anyone can answer this but the air conditioning replacement of all condensing units piping and coils

like is that something that we need to do for ventilation purposes it's kind of almost the second third to last down i know that was on tekken's plane that was out in the last the last three years yeah and i just want to make sure ken uh forgive me for for asking this one i should know this but for some reason with everything on my mind it's escaping me right now the the hvac control project that's already been approved we're just working to get that designed and executed correct yeah okay i just want to make sure that's in process gotcha yeah with text i'm putting that far out they're looking i'm sure they're estimating age and when the breakdown yeah i think so i think the most important thing is is what we already have

approved which is the control system so we can control what we've got should we look at the middle school sure all right so we have replacement original electric service now that's approved that's in the approved column all right so the building management system management system okay which we had as we had that as the highest priority last year yep that should probably stay yeah and then we had the police original plumbing yeah we had that we only had three projects on for wisconner last year and what two of them got deferred so the original plumbing and fixtures was was priority number three last year yeah so assume unless something else is super super urgent that would say is number two like is it like seminar seating like today are they not able to be used

they're they're still used and again i probably wouldn't want to check with dan on that but that that probably would be since it's emerged onto our plan in the first year that's probably the second priority okay and then the plumbing and fixtures would probably be number three and the paving would be number four yep that makes sense well they seem to like approving paving projects because you know what people please you drive that to school you see it right away yeah and they're easy to manage and then they just did a great job this year it's start and finish the whole thing now like going back to what joe i was saying too is any of this stuff doing with vents and you know air handling like is any of that getting bumped up due

to stuff that we need to do for this year or is that like a separate thing i see we have ventilation on the agenda later an event the ventilation and we'll talk about that at that time it's more that's right now more about uh repairing and replacing things okay opposed to a huge project i know i'm going back to high school but what about the um replacing the doors oh it just seems like such a priority like they're a mess how far down um oh it's new exterior doors it's like what like the eighth or ninth one is it one two three oh yeah yeah yeah it's right above the pavement nine new exterior doors they have out in year two yeah it just seems like they're a mess like barely even functional someone they're

like a guillotine we could certainly move them up to year one they weren't they were in year one last year actually and they got uh oh were they yeah they weren't women they were year one yeah okay let's put on your one okay we only have that we had the three priorities i mean we could put it as as four but put it in year one what about the restroom upgrades okay i was just looking at that amy yeah those are pretty far out too and i yeah the only reason i thought of that too because they brought that up like um the board of finance was talking about how people were complaining about the bathrooms and then and then the ask report and things like that so and like well also did your uh

your youth group i know you're you have that did you talk about bathrooms too at the high school they did that i think that's where i first heard about it yeah they were really uh speaking about it and you can tell you this we have the report from dan that all bathrooms now something just happened today but you know this is a ventilation issue but i'm just happy to hear the news uh all bathroom ventilation units were operational in the entire district which is huge that's good you just have to run 24 hours a day with the covet guidelines i think if we can show that you know so it's not so far out yeah i can move that into year one we know we're not going to get it all yeah [Music] the rest

looks good at the very bottom of the second page is the maintenance vehicle which i don't think we'll ever get oh right put it in anyway sometimes we get the hand-me-downs from the town that's just for one right for one i'm good with it so far well we'll be talk we'll talk about it every month okay okay and i'll go over it again with daniel talk we'll see if we can get a little deeper into it and we'll share the priorities we put down on here with him any questions about any more questions about that no okay can we uh is someone gonna speak about project updates or we're just gonna table that because dan's not here i can talk a little bit obviously um uh both of the paving projects at wisconsin high school

are done and i visited both sites and they came out really good and i don't i think we shared with this committee that we had enough money at wisconier to do some site work and to extend like where where the turnaround is in front of the building extended the uh the roadway across the sidewalk and down towards where the seminar room is and then then down into the parking lot so it's actually a solid enough base that um we would be able to take the buses uh on there even without the paving because they used i think they used the old ground-up pavement to oh that was that was that's going to help with uh dean dean's working on a whole new bus drop off pick up parent drop off system so we might be

able to get all the buses in the front of the school and have all the parent drop off in the back but that's still a work in pro progress in the high school they did the whole lane in front of the athletic and auditorium entrance and over some over into the uh main entrance parking lot on the sidewalks all the way over to that side entrance of the auditorium that's great and when the power went out the last week the high school generator worked just as it was supposed to that's great yeah the test run so it worked out really good because a lot of people who uh lost power at home and internet at home but still had work to do uh like our folks doing payroll which they also had to do during

the macro burst a couple years ago so they went above and beyond they they were able to work from the high school which was really good and i know he's still progressing on the hvac control project at the high school but i think that's right now in the hands of the company had come in to do the uh the um current condition survey so we're waiting for that to get that rolling i think that's it okay all right custodian stacking update so last we had a uh day custodian at the high school retired we have an internal applicant for that position um we made permanent the interim head custodian at wisconier so he was the night lead so we've posted the night lead position i think we had one internal applicant and four or five

external applicants so dan is gonna i think he already sent the uh applications over to dean to take a look at and uh usually what happens is the the facilities director and the principal collaborate on doing the interviewing and the hiring so obviously if the internal person gets hired we would have to post that job and we're still we have one person out at huckleberry so we're thinking that if that person is going to be out we're going to hire a temporary custodian to work at huckleberry for reopening because with all the the cleaning protocols we really can't afford to be short-handed everything that's demanded of us do we think we can find a temporary person we've had a lot of applicants for openings so we're hopeful and custodian is really the position we've had

so much trouble filling because uh our pay is not as competitive as we are with our regular custodians and we also um the custodial union um uh was very amenable and uh executed in a memorandum of understanding with us um maybe it was monday or tuesday and it's so we then uh had jerry gay put out an rfp for cleaning services because that's we need that that's been approved you know the funds were approved by the board of finance last monday night so we moved on as fast as we can the rfp is out it's i think posted for 10 days ken um and jerry said there was uh three or four inquiries uh in the last day or two or maybe just today i don't know one day leads into the other i can't

even tell anymore you know and we're again like i said at the be when we're just getting on the meeting staffing continues to be a concern because the cleaning service companies don't necessarily um just have people at the ready hopefully they do and we can get moving on that they may have to make some higher so it's everything is just day to day today um like domino's and just keep working and working uh at the challenge yeah now these people prior experience or a lot of people kind of jumping ship from their occupations and no thinking that there's a need out there so that's why they're applying i don't know the answer to that question okay i'm just curious all right is that it for the consigning staffing update ken yes okay all right new

business reopening cleaning protocols so i uh am i able to share my screen eric yes i just have to enable it hold on uh go ahead ken [Music] okay when so i can't necessarily translate all of this but uh you can see that this is the um the cleaning protocols for the restrooms locker rooms and shower rooms and it lists all of the tasks lists the products that the custodians use and it lists the frequency of all the operations and this is the new ken based on the requirements correct it's only a new it's a combination of what we used to do and then on top of that yep right and who put this out i didn't see the topic again this is from hilliard i was from hillyard okay yeah because they they took

they took stock of all of our spaces and all of our cleaning operations and they have a program that that says what product you should be using what uh equipment you should be using and how much time it should be take and how many how many times per day or per week and you can see for example a lot of these up here the touch points and the uh filling the toilet tissue dispensers are two times a day when normal operation is one time per day so all these things they're now doing twice be doing twice a day and i assume this is like in line with the department of health oh yeah that's yes right from the guidelines yep yes and did you update for this classrooms this is high school classrooms [Music] so

again it's all the all the cleaning protocols are we gonna are we allowing the children to use the water fountains i was just gonna say the same thing joy no no okay i didn't think i could ask you because i saw that i'm like oh no no that'll be supplies kids should bring in water bottles uh you know especially i think uh we're trying to get a filling station at wisconsin um the other schools have them but uh we're gonna do our darndest as like we said what about the clean desks so the the desks the they'll be cleaned after lunch um the plan is to have them cooked k8 cleaned after lunch if we have the proper lunch monitors or however we figured out to staff that based on what i shared earlier about

concerns about finding people so that's once a day after lunch after cohort a finishes on tuesday on wednesday all the desks will be cleaned right ken yeah so we have to actually change this because it says one time per week but it's actually gonna have to be two times a week it's gonna have to be wednesday and friday night or saturday yep yep we gotta change that you have to make a note tonight for dan mm-hmm ken i didn't see anything on here about the plexi glass shields maybe i missed it but um for the elementary levels where they have the plexi shields on desks will those be cleaned yeah i think they just didn't have a chance to update this for that yet debbie so because we don't have this software hillyard has to

do it for us and we just decided when we went into the hybrid model last week that we were going to have to clean the shields also i know dan inquired already about how long it takes to clean them and how long it takes to disinfect them yeah and we figured that we would have the time since the nobody will be there and there's other other tasks that won't have to be done on wednesdays okay but it's going to be a juggling act and you know it's been as with everything else with the covet and with our planning i'm sure once we actually get into it it's going to change right like everything else has we wanted to show you that the checklists are there and those checklists will be shared with the principal obviously

and the staff as they have been before so yeah now are the is the staff expected to clean in their classroom or uh no not only the task the staff that would either be assigned a duty to a lunch um and again that is a if that's not a hired monitor if it's somebody we free up in you know for other reasons and give them a duty that has to be bargained so that becomes a union conversation so it is just i just want to make sure because they they told us we had to do that oh really and and we had a great conversation with our teachers union yesterday tremendous conversation and that was one of the things we told that was not even an expectation because that is something that you would go

on and on for months having trying to get yeah to resolve that issue so um there's an extreme amount still to do in terms of making this organized plan joy and i thank you for the early compliment the beginning of our time together um actually execute it make this work and i just have to say i you know i'm so sorry about people's reactions and just some of the emails that come in the comments it's just yeah and people just don't understand seven days a week 15 hours a day it hasn't stopped i'm gonna go another three or four hours tonight we don't we don't ever get to stop it's constant trying to get the cohort letter out to everybody we just got the survey finished this afternoon who's coming you know and not everybody

completes the service and then you can say what was the how many surveys were completed do you know grades one through twelve what did maureen say well eric's right here actually eric knows if eric can pop on he's got the access to the survey yeah i closed it from the meeting before hold on let me just give you a second i'll pull it up i have i have it it's over 22 huh i want to say it's over 2200 though for grades 1 through 12. yeah um so that's pretty darn good considering roughly 2 600 kids and it's not counting kindergarten which was around 175 you know what we had to plan for yeah hey yeah hang on let me just uh you have to make um we are at 2287 responses for grades one

through 12. right so we're probably probably roughly maybe 200 250 calls have to be will have to be made yeah and then our kindergarten families we had maybe 300. i'm just waiting for this 161 um and last time i checked enrollment was 179 so only about a dozen kindergarten families still need to give us an answer yeah eric do you mind just going through one through 12 the percentages um yes so okay we don't need that one we don't need that one okay for september 2020 the model i choose is um 82.2 have picked the hybrid model um actually i'll just do you one better and i'll show you i should have done this earlier too um so 82.2 percent um 18 about 1881 have picked the hybrid 17 percent or 389 have picked a

remote and this little sliver of 17 have chosen to withdraw or from bps or homeschool their child um and then um for those who aren't withdrawing and then here's your boss 61 say that they're going to take the bus at some point um that's 1395 versus your 34 and a half um that state that um 789 will be driven to and from school um and then our little sliver here um i i believe the influx for this is those that picked remote learning uh may not have known um and and um which one to pick um for withdrawing so i think that the red and the orange here i i think are very similar numbers at the end of the day um i think this is your big one really for transportation at sixty one

percent thanks and eric what's the can you share the kindergarten number of the 161 that responded because we were planning on about 175 of coming yeah sure let me if you want uh yep there we go um so 161 and that is looking at um let me zoom this in a little bit for you all right uh 128 or 79 and a half percent are hybrid 21 students or 13 are remote and 12 students 12 12 parents have indicated um withdrawing or homeschooling it's really important that that uh you know in different meetings that we share this is that we really you know that's why the first uh six to eight weeks of school i think it's eight weeks of school we're having the half day program for the kindergarten students and so while there's

a cost there with transportation we talked about this with finance but we really need to get our kindergarteners engaged and teach them school get them in love them really set up those relationships with the teachers because if we have to at some point quickly go remote we need to be connected with them and have them learn the technology and so forth and it's important for the long haul of the district to make sure we don't have kindergarteners um overloaded in a class for next year and we want to make sure that we have more of these properly so this is a pretty good number so far john do you have any do you have any plan to announce those survey results um well we need to work with them first before before we announce them

but we probably could share them at the board meeting next week yeah it only closed actually you know what now that i'm in here i actually they stayed open a little late they technically were supposed to close it at four o'clock but i left them open a little longer for some straggling um some some stragglers that um um either didn't get it or asked for a couple minutes so um um yeah they just we're just closing them you need to do a lot of work because like i said we have a develop a script actually this afternoon for the for the schools we're going to be bringing in anybody we can each principal to make calls to the those is that they can't the principles really can't make their class list properly without that information

so um it's critical and then and then we're working on a cohort letter as well you know it's pretty straightforward um my last name and then in the bus company take all of this and get that going so i mean we've gotta turn it around power outage didn't help lots of good three four days is the cohorting going to go by neighborhoods or we don't know yet yeah we're thinking last names to keep families together that was what what the the last names yeah okay that was that's like alphabetical yeah so some final that was where we left it off the principles today so we just double checked some things and yeah well no matter what you choose not to be good enough oh no no not at all not at all no it's amazing

it's almost right down the middle i'll get an email that says you know we're rotten for deciding on hybrid and then the next email will come in thank god you did that you're socially distancing the kids more better way to start it's just every single decision it's almost half and half it really is all right thank you for sharing that uh okay reopening ventilation so you said about the bathrooms that's good yes there's good news about the bathrooms at least that was reported to us so you know go ahead ken yeah so the um i'm actually uh looking for the document that we where we talked to the teachers last night because we talked about ventilation there also that's right take your time see if you can find it that was actually some good i

found it now google's just not cooperating and letting me scroll let me see if i can find it okay got it okay i have it up too if you so the the expectations are that everything will be working at the start of the year we've uh we've had our maintenance mechanic joe degrandy going through and um checking all of the the fans and the motors and fixing them as he can we've also got a uh mechanical contractor kind of follow going around after him as he identifies things that need to be fixed they're going in and fixing them in some many cases we're replacing motors some of which have been you know out of order for quite some time um i should have started the beginning of we as part of the summer cleaning process

we replaced all the filters and all the unit ventilators and in the the rooftop units so once we get everything running we will have the major systems running two hours before school starts and one hour after school ends any spaces that are not appropriately ventilated will not be used until we can get them appropriately ventilated um and i had one other point all filters and unit ventilators what was the other thing you said air filter all filters and unit ventilators and the rooftop units oh the roof top units yeah and the other point that i i made last night to the teachers and we need to make clear to everybody uh ventilation doesn't necessarily mean comfort it means bringing in fresh air from the outside and exhausting and i use the example of last night

i was sitting in my family room on the on the meeting and i don't have air conditioning in my house but i had the window next to me open so i had plenty of ventilation but not comfort [Music] and these units we have are are designed to bring in air from the outside and we have exhaust fans in many classrooms in other classrooms the the air just naturally exhausts out uh into the hallway so that's the ventilation update good point i didn't know the difference between that that was good i'm learning a lot so basically you're saying all the classrooms are going to be hotter not necessarily so many of them have air conditioning all right any miscellaneous discussion but the basic objective of that is just is to go through and get get everything

you know everything working as it was intended to work and that's pretty much all you can do and starting that two hours before is that a new practice because of everything going on yes and uh the same with the the uh the exhaust fans and the bathrooms will be run 24 hours a day seven days a week so the the the electrical costs are going to be electrical costs are going to go up a lot so it's going to be something we have to talk about anybody have any miscellaneous discussion i appreciate everybody being willing to move this uh our meeting a week later than normally uh scheduled no problem because it was very very helpful for me yeah we're just so concerned with reopening it's just you know two to three hour meetings a

day with our principals and really working all the details throughout as best we can so there's just a lot of work going on john are you going to be able to get time off to bring your son to college um that's the plan for monday monday morning and come back tuesday night yes wow overnight there's no other choice and then then we'll talk about i was going to send a separate note to you guys i'll send a separate note on friday a little with a weekend update to the board so just how that's going to schedule and how that's going to work and i've been in touch on it so it's been hard it's been hard uh this summer to uh especially to enjoy this last week or two with them it's been very good

we're working it through some time together it should be nice thank you for asking debbie okay well no one has anything else i guess we could join the meeting at 7 14. all right thank you everybody so nice thank you everyone all right yeah you want to be friends okay we can be friends eric thank you very much
