[Music] good evening today is Wednesday April 3rd 2019 and I would like to call the regular meeting of the Brookfield Board of Education to order if we could all please rise for the Pledge of Allegiance pledge allegiance to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible with liberty and justice for all [Music] okay we have our full board here with us this evening and first thing on our agenda is a student spotlight of center elementary school good evening everyone a video clip here we go that's been taken over the course of the last week or so in which students are engaging in our nuisance with Sony and science unit of force in motion and she's going to describe the specific learning that
students are acquiring you'll see in the video as well I'd like to share with you the difference that we've seen in our students as a result of this resource being implemented the focus is not on content necessarily but on supporting students to think like scientists and you'll see some of that in the video and when you talk to them it's the conversation that they're having is very very inquiry based very much based on problem solving and seeing things in different ways trying things out if they don't work we're going to learn from that and really understanding that we sometimes learn more from the mistakes we make than from getting it right or doing it the right way so seeing that mindset where them develop is been really exciting and again is we can really say
all the time you know we the kindergarten is where it starts so we're really laying the groundwork now for inquiry and investigation and all of those exciting things to happen and those mindsets so that students are open to that learning and that different way of thinking as they move up through the grade level so for the new Daisy this year I love the video thank you very much for giving me the opportunity to share a little bit more information about our Smithsonian science and technology units in kindergarten our three units are weather forces in motion and plants and animals and as a kindergarten team we came away from our training sessions on these units feeling so energized excited and very very eager to see what these lessons would look like in our classrooms with our
young learners at the beginning of March all eight kindergarten classes started working on the forces in motion unit children have been building their vocabularies learning to use precise words to describe an object's relative location and position they're learning to distinguish shades of meaning among verbs that describe the same general object just as an example stomping versus marching and they've been having so much fun acting out the meanings are very precise action words as we move through this unit children are going to be exploring the relationship that different forces can have on the speed of a object on the direction of an object among other things they will continue to make predictions and engage in hands-on vocabulary rich lessons each day most important our students are really learning how to think like scientists they've been learning
to take time to wonder about the world around them to ask questions to make predictions and then to explore an experiment to search for their own answers to those questions the level of enthusiasm and engagement around these science lessons has been so exciting to see I could stand here and just keep telling you how much our students love these lessons and they do but we thought it would be more fun to show you as Mary Rose mentioned so a big thank you to Elizabeth Larson one of our other kindergarten teachers she compiled video clips from our classrooms so that you can see our young scientists beginning to learn about forces in motion so we hope that you enjoy a little sneak peek into our classrooms thank you [Music] now this is a depression is there
a difference between sliding and rolling [Music] my old robber [Music] so we're doing science emotion for every one of us Charlie [Music] have any questions for you or that was fabulous now they really what it means we'll tell you again they do they are just man to me telling me that they come into school every morning are we doing science today thank you very much for the resource and for the time to prevent this evening thank you thank you thank you that was a ringing endorsement for the Smithsonian a module isn't it okay next we have public comment we have someone signed up at a share eastern LC good evening my name is Shari sarin offski head of a 15 square Court and I am the mother of triplets in sixth grade I met the
other day with dr. Burrell for quite some time but I came with the need to speak my children our children although young minds that each day I put my faith into the hands of the Board of Education and their decisions to educate my child to become a successful member of our community as an adult they are not a dollar value although I do understand that money doesn't grow on trees numerous studies have shown that smaller class size is better for knowledge acquisition meanwhile our budget noted so many oversized classes 33% of core classes at West Kinnear and close to 40% of core classes at Brookfield high school are oversized but it's the special ed classes that I came into speak about today the individuals with Disabilities Education Act is a law that makes available a
free public education to elavil children with disabilities and related services to those children some have physical handicaps while some may not be able to learn in a traditional classroom setting failing to provide accommodations for these children is like not having handicap ramps for a child in a wheelchair I have one of those kids she seats she sees things differently on a page she processes things a little differently but were the proper accommodations and a bit of help she is succeeding students have an individualized education plan which provides small group targeted instruction teachers have to make individual lesson plans for each student to help them reach the individual listed goals on their IEP No - I EPS are alike they are unique to each child's needs small group instruction is not 18 students as my daughter
has in her class Weston here and it is not 25 students as they have in the high school and if parents decide to file a complaint with the state the Board of Education will be found out of compliance and a fine could be ensued again I understand money does not grow on trees but we elected you to set up a system so our children can learn and the system is failing my child who needs these accommodations to learn as well as the other 14% of students with IEP s in the school system there's a paramount need for more special education teachers at the high school other than the one proposed for next year and at least one at West c'mere this is not something that you take time it needs to be done now thank
you thank you sure is there anyone else here that would like to speak okay moving on we had a student representative report but Maddie is not with us today and heard that she was okay um written correspondence Ron Jaffe shared an article about financial education and Monique Matthews regarding special education board policy and applicable law thanks Jay approval of Board minutes recommend a motion that the board approve the minutes listed below as recommended the regular meeting on March 20 2009 team second any discussion corrections in its okay all in the paper I move you don't get the superintendent update patient sales go and I'll start with my date and dr. Ruiz to present we met mrs. Lake mrs. Fernandez and mr. unit we kicked off our initial discussions and playing for the healthy school start
times ad hoc committee of the board established a month or so ago and we're looking forward to the meeting on the first Monday at 4:00 p.m. of each month as we go forward our next meeting will be May 6th tomorrow the committee asked me to send out in the next week and I'll be doing that I think tomorrow we have a schedule they said go out invitations to those folks who want to express their interest in serving on the committee those folks parents are educators with you know experience in this particular area if they're a health professional or something like that or have another interest in healthy school start times and then from there the community will take take a look at who expresses interest makes a decision similar to how we did for the
security task force and with that committee well really get the ball rolling over the next year or so in examining school start times and all the research fine so we're really excited about that and you know if there was anybody from the committee that wanted to add anything god okay and then the other thing I'd like to defer now to dr. Ruby is today we take off the very first day of a three-day professional learning for a cadre of our educators and also some educators from other districts to join us for trauma sensitive Souls and actually this was part of that so Jen ordered a curry so as John has shared we have this three-day conference in February dr. small and myself attended a national conference on sensitive schools we feel this is really a
critical area of need for our educators and the educators in all of our surrounding towns so using our title for grant money which is focused on this particular topic and and behavioral concerns we elected to bring hampering everybody to a national conference to bring the conference here and it's three days the first two days are really for the educators from our district and we invited the special education directors from our neighboring towns we had Rosa as a board representative we had Robin Montgomery from Brookfield cares and we some other people that are going to come in tomorrow and Friday but we really want to make this a concerted effort so by the time you get to Friday afternoon our faculty will be creating action plans for how we're going to implement what we've learned and
have it aligned with the ruler work that we're doing so okay and this isn't just to serve students who have had traumatic experiences because we don't really know who all the students are who have suffered from trauma trauma isn't a badge that you wear or mark that you have on your face so just like with special education where strategies that we use in working with students who have individualized learning these that are identified and have IEP s those strategies are useful for all students and we do use them special education strategies for all students trauma-informed educational strategies are beneficial to all students and we don't know who all these children are where our efforts to learn about this so that we can implement these strategies with all our children today we really focused a lot
on understanding what trauma is because everybody doesn't have a common understanding and then understanding the normalizable basis what happens in the developing brain from birth onward that it negatively impacts how students respond in relationships and attachment disorders etc so I think we're very fortunate that the title for funding came back because it was absent for a number of years and that the state of Connecticut has chosen to focus the state's funding in this area and that we were able to get these folks to come so tell me more about it but I think you know I don't know Rosa vive anything to share so well I wish more there's there's a couple things one of the things that we don't have in Brooklyn unfortunately is a lot of meeting space to hold people so we
can fit 40 people in the conference room so we had 40 and we also have a sub problem so we had 40 people from art we had 8 guests and the other 32 we're mostly our we had all our administrators there because they have to leave this charge in their buildings our mental health providers some classroom teachers and some special education teachers so we try to select people from different buildings so that you know all the grades and all the different areas will be covered because Ana principals Christine and myself will be playing a role out on the 29th of April we have a professor from Utah who we met at the conference moment that we went to who did and like we were really trying to contain ourselves in our seats like waiting breaks
field we were fortunate and that when we were listening to her and saying oh she's so amazing she said she said oh and even though I'm in Utah my family lives in Massachusetts so after the break I went and asked her was just gonna visit her mother and she's at the end of April when they had breaks so we talked to her we said well would you consider when tagging an extra day onto your trip and coming to our school district and she said yes and what her focus is is taking all of this research and deep understanding of what trauma is and what creating trauma-sensitive schools is all about and her focus is classroom application and she was outstanding so we have that coming April 29 so we're really excited about the marriage of
the social emotional learning and trauma-informed strategies to create drama morsels as it thank you very much I'm sorry lazy jerk alright so moving on to subcommittee reports okay so our last meeting was on Tuesday March 19 and a large majority of our meeting was the sharing of the P Dec committees valuations plan we heard all about that and the sub committee voted unanimously to recommend it to the full board so we'll hear more about that in a minute and then dr. Berube also noticed a student also updated us on the work being done in curriculum development in regards to standards-based grading and reporting in grades K before and standards-based grading and grazed 5 to 12 and we discussed it a little bit about there's seem to be a little confusion and discussion some social media
platforms that the district implementing standards basically reporting at the high school and there's no plan for that at this time place where we are and then last dr. Ruby reported on her work with dr. Craig Bailey from the Yale Center of emotional intelligence and three Brookfield preschool programs so we're going to participate in a five-year three point four million dollar IES study on preschool roar so continuing to implement that really great social-emotional learning work throughout the district she's really excited about that we're to preschools that will be participating that Prince of Peace the Goddard School and country hits Christian Academy is going to have a change in their administration and the administrator didn't go that it was appropriate to commit somebody else to a five-year program and st. Joseph's wasn't eligible because the grant is
for freestanding preschools so we weren't eligible either but I'll be working with those preschools and with dr. Bailey and Yale and so we will benefit from everything that those preschools are are doing and we're working with st. Joseph's was really disappointed because they they want to do this so we actually spoke with them I told them yesterday and then again today they're considering trying to get grant funding to the same thing that we're doing in the public school saying get a team of people to go to the implementation programming which is a three-day conference that's what our folks did and then bringing it to their whole school so that would be really great if they get trained because then we can work with them it's really difficult work with people who haven't had the training
so actually Dean met with Pam balance today and offered to help her with that process because he's had some serious Hey all right policy communications okay so we last met on March 20th and one of the one of the policies that we've been looking at over the last couple of months is a brand new service animals policy we did anticipate this policy needing to be in place before next year but it's a fairly lengthy policy so we're still kind of going through it and possibly adding some language so that's not ready to come to the full board yeah but potentially next month coming up we've talked about a brand new non lapsing fund policy that's actually on the agenda tonight so you'll see that a little bit we looked at updating our safety policy that's
also on the agenda tonight this isn't a new policy but we'll get a chance to talk about that a little bit later our insurance policy we sort of tabled our policy is a lot more comprehensive than the one that cave that indicate version so some of the community members just had a few questions about mount coverage that we should have and Ken's going into that and so that should be coming up maybe next month also a budget publication and adoption that's going to be on the agenda tonight as well so we'll talk about that later in terms of communication we talked about maybe updating some of the website just kind of making each section a little more uniform easier for people to find certain things there were some documents that are sort of like parents
frequently use and maybe found pretty easily so Eric's going to work on updating that a little bit and the budget flier we're going to be working on obviously after tonight's discussion we will get a chance to finalize it as well as a video that I'm dr. bill burr will be able to but I'll kind of similar to the new school project video so we've got to be really helpful for communicating and advocating for the budget and actually it was on the video mr. ceebar has a few students ready to go and actually Colette and I we're gonna go over about three o'clock on Monday to do kind of the on film beginning and to fill in with you know pictures videos and some other footage and narrating we're gonna use the our plan was to
use the transmittal letter as the basis sort of script the striking again after tonight with more information we'll know how to form it's very good pretty safe right yeah and that's it question on on the policies so you're going through that 3,000 sound you're really just speaking those most important well we're going through all of the 3,000 unless there's a policy like the service animals policy that's another positive an Appalachian air because yeah baby but yeah so we're going through and we've pretty much I think completes all the policies that Kate recommends that we do not have those are I think for the most part we've either presented them or they're through so now we're started working on some some older policies that are in need of smog gating we're good so we're working but
hopefully we'll get I think we'll be able to finish you know this year so thank you any other Christian service that brings us to the security task force I'll take this on we met on Friday March 22nd and went through several items we talked to cheaper so in regards to contacting the state police about a security assessment district why this is actually something that was recommended as being part of the application for the new school project and we thought if it's something that needs to be here it would there be very germane to the security task force as well so we're hopefully taking the steps to get that done Eric complete leave an update on the go Guardian application for Felix which we will be implementing at least for the starting group our eighth graders
and then we will grow it up every year that we introduce a new Carlos and the eighth graders that will follow the Chromebooks with the students and this will be very beneficial as far as protecting the Chromebooks malware wise and security ways that way in addition to just being a good present diversity is as well we had a video conference with a company that's maybe providing a very viable affordable option to upgrade our key assistance such as something we have found to be a significant issue the beautiful thing about these is that they can be repurposed so we can use them for centers for huckleberry and then windows transition out to the new school they can either come under the services we didn't talk about the future of the task force because we were pretty
much wrapped up the majority of what we had far more at our goals we would love still white to me every now and then touch base to make sure that everything's happening is to do so we agree instead of meeting on a monthly basis now we will meet every three to four months just to touch base [Music] any questions of that all right move on to consent agenda I recommend a devotion that the board approve the items on the consent agenda is recommended presentations any session questions all right all in favor okay moving on to new business we have the virtue of high school course tantra recommend emotion at the border to prove a trip the BHS ban chorus to travel to Virginia Beach Virginia from Thursday June 6 2018 to Sunday June 9 2010
as requested by DHS band and chorus teachers John lamendola and Stephen is a George good evening well not Steve st. George or John folks are attacking sorry violated raw vegetables I apologize well Steve and John could not be here in force tonight they said about personal things going on how to be up here on their behalf and advocate for the strip which has been something they've done for quite some time now well they gonna be virginity to them was to Niagara Falls at one point in time as well because you should have two did not work out but this is a trip it's a sin to deform a trip they would leave on a Thursday Thursday morning most days time travel originated by bus and then on Friday there's actually a band performance of boardwalk
at Virginia Beach there's a host of high school bands that perform there and then the following day is the coral presentation of choral concert which is going to be at Busch Gardens Williamsburg and then really Saturday and then they come home Sunday so they don't Sunday and back to school that next Monday it's a great opportunity to be preparing for their presidency they're not only spring concert but their actual concert so that are gonna perform whether they're down there so again if you have any questions certainly there's boundaries and it's ones it's a Happy Feet 675 you see but students that have opportunities throughout the course together to fundraise for this to make sure that they can hopefully get the money that they need to get there so I don't have a number right now
as to how many kids are able to go at this point or hoping to go but I can't get that certainly for the board but it's a trip they don't radition aliy for several years now so they're hoping that they can get it okay who are the chaperones so chaperones obviously are going to be mr. st. George and mr. Amendola then we have parent chaperones they go along as well and they're all they thought all volunteer forms as part of our policies and personnel they go through the DZ a background check those sorts of things that's not about well the chaperones are approved through part of that process so in order to be a parent chaperone there's actually certain forms of this solo there are parents of the student yes yes correct okay any other
questions all right all in favor hi thank you thank you thanks mark mrs. Cermak was something we were talking about chaperones a trip right now if I may know if I should have done students Andy thank mr. Renta his team for chaperoning the Washington DC trip last week trip went off without a hitch whether it was one hitch the rebus the fourth bus broke down somewhere in the Maryland area I think and would IEDs warming they broken down bus literally Sasori and and B the bus yes Dean hop off his bus became the person who would go on the principal lead the charge on that final boss that's broken down and we switched bosses and then the second bus broke down and the original of us got fixed in the mean time and came back
and picked them up and they got it all midnight so the three buses wrong times which is about nine o'clock and about midnight so we thank you dean for the long long weekend and I understand some parents brought you some gifts along the teachers and there's things like that cupcakes the next morning so thank you for all your services a lot of the teachers go through Edmond parents so thank you and I'm 33 or sensories I love their outfits that they have the pictures that I saw with their jackets Oh amazing and it's better than the year of the swine flu and the walking pneumonia and there was something else yeah great job thank you thank you all right moving on let me have the approval of revisions to the teacher evaluation support plan recommend
a motion that the board approve the revisions 2019 2020 evaluation and planning hey thank you so the professional evaluation anyway the PDF committee is a professional development evaluation committee and all school districts are required by state law to have a vehicle and one of the things that the PD a committee is charged with is evaluation and so our PD committee has been working for over a year and a half on evaluating our teacher evaluation plan and kind of need to make revisions and so tonight we have keep talking so tonight we have Jen Donovan who's a co-chair we have teachers and administrators honest committee and Jen abdominus a teacher represent co-chair and Dave hep Sasuke who is not with us tonight is the admin co-chair and Mary Rose has stepped in for him absence and
so I'll just keep talking they are going to share the plan that literally when I say a year and a half we've been working on it for a year and a half peanut is required by law to meet three times a year and frankly we must count to how many meetings we've had because people have put so much time and effort into this I don't know Jenna 'they figured it out yet how many meetings we had that's that does name yeah and so that doesn't count in the bombing we're talking endless hours just this year after these are all after school meetings and then in the previous year and whether going to present you in a very brief period of time is the major changes and the reason so that you understand why these changes
have been implemented with the PD that we've been providing to our administrative team in terms of their observation skills and providing feedback to to teachers I believe that not the majority of our teachers have come to really value on that you know it's never 100% but we have to go with for the majority and so this plan is reflective of the implementation of the better observation skills and feedback skills because our goal in evaluation is never a gotcha that would really be foolish our goal and evaluation is to give feedback that provides teachers with the opportunity to grow me better because none of us are ever finished products we're hopefully continuing to grow and I think that when they explain what's in this plan you'll see that the changes that are being proposed are to
do just that to promote teacher growth so the process which is all outlined in state law for teacher evaluation is that the PD a committee develops plants in accordance with state laws on teacher evaluation they present it to their Board of Education which this board the previous boards have done and anytime there's a change that the PD committee feels is necessary they submit those changes to the board if the board approves the changes if you do so tonight in accordance with the affirmation that we got from the Cape May the next step would be that this plan would be submitted to the State Department of Education they committee that oversees teacher evaluation would go through it and then they would come back to us with their findings so they would either approve it or they
would asked us to make changes to whatever they thought we need to have changes if that's the case if they wants to make changes we would have to make those changes bring them back to Cape bring them back to the board and send them back to the state so this is not oh willy nilly wham-bam paper process it's really scrutinized by both the local Board of Education and the state after a PDF does all its work so it looks like that right okay evening work thank you so much for taking your time to hear us out on our evaluation plan as dr. review a thing you spend a lot of time really developing this so Mary Rose and I are really excited to share it with all of you so as dr. V has already
described a little bit why can you see your thanks so as we dr. we started discussing the rationale behind making these changes is really to build alignment with all of the work that's been happening for administrators with the video learning so it'll be even spending a lot of time learning how to get more actual feedback that's tied directly with it with the Common Core teaching and so this plan will allow us to provide more opportunities for a professional dialogue between an administrator an evaluator or excluded a teacher that again is aligned by the Common Core of teaching and also provide opportunities for targeted feedback that align with the true secret treaty to coherence plan so this really is a combing event so to speak or document that will tie in the work that's been doing
that we've been doing to align instruction and adult actions with student outcomes so again that's all outlined in the strategic O'Hare's plan and that really the plan will allow us to again have more opportunities for those kind of dialogue to leave that and result so some of our major changes are that we are going to be having what we call eight reflected reviews which are really a opportunity for teachers and evaluators to meet and kind of have more of a coaching model as opposed to a you know a full-on evaluative model we're really teachers get the chance to meet with our evaluators and you know be coached through their learning and really kind of professionally develop denial of that way our another major change that we've instituted is our focus of the reflected review we're
really focusing in domain three and one of the indicators that we're gonna be focusing on is going to be backed by the district and one will be focused on the discretion between the evaluator and the evaluate D you're also we also define our student learning objectives our SLOS a little bit more and we also have a new dispute resolution process that provides a little bit more of a formal protocol of moving forward [Music] so just outline what our reflected reviews are going to look like there's three modalities for them one is the observation modality the artifact reviews are second and collegial conversations our third observations are kind of just you know standards what we've been doing pretty much so far with the informal observations and formal observations artifact reviews are going to be like any
student data or any important information that the evaluator and I decide to upload into I reflect and our occasional conversations are really just to promote dialogue between the evaluator and evaluate these so we can really have more of that coaching well and then we really clearly defined what those examples of look like instead of observations as they are seeing we're gonna have formal observations and formals ability to kind of broaden where those informal scan occur department meetings team meetings DBT meetings so really seeing the teacher in all realms artifact reviews as I said are that are those important information pieces in regards to students and lesson plans that we think and we want to upload and have reviewed and then the collegian of conversations are really those conversations that i valuators in value teas could
have and then in addition our goal-setting innings are made here meetings and our end-of-year meetings so non-tenured in January teachers have different evaluation cycles and different expectations further effective reviews so non-tenured teachers fall into several categories our first and second-year teachers are a brand new to the profession or ago not had tenure we've gotten Tanner out outside a predicate they conserved entertainers tracking Emily when they were hired in Connecticut they'll have three formal observations each way to the premium post conference which is version for you now and the that category also includes any third and fourth-year teacher who were received a summons reading overall reading of developing or below below standard so again it's all first and second year teacher's and then a teacher who's getting to the third fourth year and it's not it's
kind of in the lower half of the rubric for overall ratings the second category there are on our third and fourth grade or fourth three fourth year novice teachers and teachers who might receive tenure nando district Medicaid and they were hired in Berfield those teachers have two formal observations and winery flacon review which were just changes described so again that's not a huge change for us except with the exception of the review for that second the second group the next two slides it's a timeline for non tenure educators so I would I think maybe last year the year before we put in a timeline into the plan just to help keep everyone on track and very become very difficult to track who's getting what observations and that kind of thing is left over the course
of a year so you'll see that everyone receives an orientation to this usually we should process that's credible legislation so that has to happen for everybody the beginning of the year and then the the whole setting conference that again have mister everyone you'll see the reflected reviews for again first in your person second your teachers are all their foreign lacerations essentially those are their whether the reflector reviews are happening if you're in that third and fourth year you'll have to they said before to formal observations as your respective reviews and then you'll have an option and opportunity to choose some of the other modality or whatever one of the other options that was in a chart or on an earlier slide so again the timeline serves in September by 7:15 that would be a orientation
to happen and then it continues outlining whether the reflective used only happen again all the teachers have a goal setting a confidence in the mediator popular than any or a copy of that account is part of those three of those are effective reviews so that's the basic timeline for for nine anger teachers so our 10-year teachers is where a major change and revaluation system really goes to we are going to be having that eight reflected reviews for the tenure teachers so how's Mary Rose thing going to have their standard goal-setting meeting along with their major meeting and our end of year meeting and then they are going to have five additional reflective reviews which can be selected from the three categories there earlier which is the observation are that review include to a conversation so
just like with a non-tenured teachers need to find a clear timeline for the tenured teachers to kind of give them checkpoints of where we're going to have their reflective reviews as well as whether their goal setting and their mid-year and their end of the year would also be just because it's a good practice in this way we can hold each other accountable one of the other changes will be with our student learning objectives so prior to this we were using the rubric language that was included the CD program from the state the C document and it said most students achieve mastery of the target which is very hard to quantify and let you just sum it's hard to put it to Danielle doubt what exactly you're looking for her to say the goal and I
said most when it's most mean so we were looking through this is a significant area that we all wanted to clarify when we say that you can exceed your target or your excuse with your SLO we're saying that at least 90% of the percentage of students in the in that goal met or exceeded the target that make sense so we're looking for 90% of students to be teach to be considered an exceeded 90 percent of those shouldn't have to meet the target that was set for them 40 should be considered met seventy eighty nine percent of the targeted percentage of students meet the goal partially met is 60 to 69 percent and did not me is less than sixty percent so this provides much more clarity in terms of how we are assigning ratings to
teachers when it comes to their student learning objectives and I think will again help us not only establish the percentages overall but it also hold everyone accountable to a particular group so you're saying that 9 percent of students are going to met the target it's anyone in that group has to it was concluded that 90 percent back if you say that ninety percent of students are going to exceed that goal be that anyone who was in that that group has to be considered part of the nine percent that makes sense that I'm not I'm not sure that I'm being clear but I do the right Larry and then our final major change that was included in our evaluation plan was the dispute resolution process we're hoping that you ever got to this part but you
know you never exactly never have so we want you know but of course the more clearly defined it so if you know a teacher and an evaluator cannot come to a mutual agreement that you do go through the dispute resolution process which they have five days to complete the part of the dispute resolution process that I think is really at a good part is that there's a more chance for them to meet with a deck chair or a few deck yes a picture one person is locked by the EI president and one person is elected by the superintendent and they have a chance to kind of informally talk and then try and work it out between the evaluator and the teacher before it goes to a more formal process which i think is a really
good part because it sticks with what we were trying to create which is one of that coaching well I'm between an alligator and a tea the last piece of this is the rollout so students is approved and I gather them to prove we can move forward we want to make sure that there's a really good solid purposeful professional learning that's variety for our teachers administrators together so we are on the same page again the goal being professional growth the goal being improving our knowledge base and our practice as the adults in the building responsible for student outcomes and then you know seeing that translate into to our achievement of our students so the professional learning is going to be a big piece of our next plan a parolee out thank you very much so that
last piece so their work isn't over even if it gets approved here and the state approves it because that's going to be developing the PD that will be given to each and every faculty member when we we provide orientation and onboarding for new faculty members the week before the teachers come back and at that point in time we provide training to new teachers on our plan then those teachers hear it again because violated by law when the teachers come back to school the administrators as part of their PD the first couple days provide professional learning on the plan and so our next steps after approval will be to have the committee come back together and develop a boilerplate professional development program that will be implemented in orientation and then in each of the buildings so
thank you for listening if you have any questions just a question um the evaluators are they building and administrators yes we had another school I mean I made her special aid especially the supervisors also does especially evaluations and dr. Scala does some of that as well so it's all it's the same way are all the schools any other questions and this is approved by Kate yes all right nobody questions all in favor aye aye great job thank you for you thank you very much thank you ladies okay next we have the discussion of possible action for the non-renewals recommend motion that the board moved that pursuant to that general statute section 10 - 1 v 1 for the broad field board of education and non-renewal the teaching contract of the non-tenured teachers at the end
of the 2018 2018 school year as recommended by the superintendent and further move that the superintendent be directed community this action of the board enraged to the non-tenured teachers another superintendent be authorized to respond on behalf of the board and requests for a hearing if required by law or for other data which may be forthcoming from the teacher and/or his or her representative pursuant to provisions in a general statute section 10 - 151 and the superintendent be directed that any response to a request for hearing here is required by law indicate that such hearing is to be before the board or at the board's discretion a subcommittee if I may I'd like to pass out the beginning of the meeting we passed out a list though you have a short list and a longer list
to page the longer list was updated Cavanaugh just means happy for us just straight first long list and there's mr. Belding's is an actor copy a background a vessel this is it I always see doing this every time this year yes um because of the way the budget cycle goes and the the budget referendum which is tentatively set for May 21st there's the length of time that we need to give notice to or non senior teachers should we have any reduction in staff as a result of our budget reduction it will not happen if we wait until after the referendum passes it has to be done prior to so which is why we're getting a list of all of the non senior teachers right now they will get notification of non-renewal in the event that
we do need to reduce positions as a result of the budget whether or not it passes or has to go to Reverend or multiple times I have a quick question I don't know if it's a typo but on the sheet that just got passed around the second line the 10-year de 2017 that must be a typo right okay 2018 good catch and then if the budget passes and these positions are not eliminated they just receive notification of that after the fact of this procedure correctly Cindy any other questions okay all in favor hi right moving on to our policies firstly our policy 31 seventy one point one recommend motion of the board approve policy number thirty one seventy one point one non lasting education fund for a first reading as are codified policies of a
second this policy is a new policy which will be in the 3000 series so policy that's in front of you now is a cape version of the policy and generally the committee like language six with the exception of one small edit you'll see that capital projects is crossed out and we felt that language that said one-time non-recurring expenses was more appropriate of course depending on you know what forms the finance our Board of Finance would tell us you know generally speaking we would use it for those non recurring expenses and so no I just want to make sure because she's very steep to me Tommy I make sure she's looked out she's aware of the she's gone through this was in our our uncounseled a Murphy's Law I do right all in favor aye okay
so how will c-3po 16 but an emotion of the board approve policy number 35 16 safety for first reading second okay so this is not a new policy this is what we already have in place and it's a little bit long but we are recommending to replace Brookfield's version with this Cape version and generally it is already what we're doing so there's really not anything new in terms of practice there's one exception there's some language about policy evaluation that's the only be done annually for you know this safety policy so other than that again this is what we're already doing so that was second hurry um this one also is not a new policy it's one that we already have in place so we just just a few of the very minor edits that you'll
see crossed out and then you and it's in bold on this is a pretty short policy so aside from those few very minor edits this is just an update and older policy any questions on a favor thank you for submitting I'll see those that inmate right now yes our second DNA yes okay all right that moves us to all business first up is the specs for the new school recommend motion that the board approve the final educational specifications for the new school project from dock superintendent dr. Chopra sagging so this is I thank everybody who provided feedback whether it was some editorial feedback or chromatic feedback or actual questions regarding substantive issues that these redundancies or contrary to one another throughout the documentary lengthy document and so I was actually able to take all that
feedback make the correction is actually confirmed with Jeff was a Wisniewski from tech on is actually here with us this evening in case we have questions for Jeff and the only difference from what I provided to you on Friday the email is the cover page has changed I forgot to change the cover page in the document which said draft on it from the original version three weeks ago that gave me so this is really ready to go obviously we have any opportunity for questions or discussions we certainly do that night but we're ready to go and upload this to the state grant any work rules [Music] be actually just one type over the second time that was on page 13 when it talks about other needs support spaces you just have to--and said to open
for the last bullet way okay and are there any other questions this is very thorough thank you to to Jeff and you as well John for all of your work on us took quite a while to read so this is just so so exciting that had this unifying project for the community is amazing it so it's an honor to be working on I appreciate everybody's support you know getting that work done it or a selectman working on some oceans this week and working with Jeff and working with the NBC to the town clerk to find the proper documentation to work on uploading things to the state grant in additions that we're looking I'm going to be calling Costas at the office of school grants in construction to see if we get me a mid-may maybe
before we push click and submit and we can have meeting to make sure that everything is in order that comfortable thing in any minor things that we need to correct remember it's not due till June 30th or really I'm pushing to have much of the documentation uploaded prior that I can has been approved prior to April break was show because next Friday afternoon and in addition to that I've been in touch with cheaper cell as you mentioned earlier class we're looking to get that wide it going with the state police in terms of security in the next couple releases as well where they walk through all the schools and also located in central plan has a medium he would Jeff attack on regarding the new school as well we have that activation I'm not sure
I mentioned before but they've recently changed the way the grant application is school construction grants and it's all online that's all electronically submitted and the superintendent has to submit everything so everything I guess other districts yes pretty much not or is trying to avoid effect where citizens are disengaged from the process so that [Music] and I will be ready for any condition you know participating that could be therapeutic speaking of all the worker down all right any of their questions it's it's just amazing [Music] just a great great feeling for our town it's three years from when we started this is just fantastic and Berfield again leading the charge in the way [Music] thank you thank you all right that brings us to the Board of Education budget estimate this is just an action at
this point which make move to a motion if we need to and just to discuss potential reductions this is the first time we've met since the since the Board of Finance has put it together they Ashley Boyd if I has met during our last quarter that need to finalize their budget and ended up approving the the Board of Education budget with a reduction to our proposal of three hundred fifty nine thousand four hundred and thirty two dollars so we do need to discuss that they did though in the process of this take the room language lab and move that from our operating budget to a capital project so that will remain within the town budget but it is out of our operating budget so with this number 359 we can automatically subtract 50,000 right now
so that brings us to three hundred nine thousand four hundred thirty two dollars one other action that the porter finances that they added the the control management system for whiskey near of the capital project which was not too moved forward to the Board of Selectmen they added that into the budget as well so that is approved as the capital in addition to everything else so that leaves us right now with a 309,000 corner $32 to find any reductions and so I asked dr. Brill and the administrators to get together and give us as a board their ideas and thoughts as to where we might be able to find that figure okay thank you what we getting the money so I put a very brief PowerPoint together to kinda center us and kick off the conversation
tonight I have to thank the administrative council team that worked very hard on this project when we exactly how Collette introduced that I introduced it to the group I'm actually Ken marine into the group and we went through a number of exercises that generated it is where we might be able to sharpen our pencils and find savings in addition to that cabinet met this week on Monday morning we continued to work from what the council had generated and continue to fine-tune savings and then the principles met on Tuesday morning and our monthly the principal and we continue to find him so it's been a real evolution a real process of scrubbing and our budgets and exercising this problem and we bring forth to you this evening what we think is our best effort I'm gonna
walk you through kind of how we set this up and also set the stage for what we're working on here so I wanted to start with our budget goals to remind everybody what the Board adopted budget was all about and remind everybody who could be watching at home and remind the board that this process to develop the 1920 budget doesn't happen in the back in number one and again is a very thorough just like dr. room you talked about with miss Donovan and mrs. diamond about the thoroughness of going through the teacher evaluation process in the year and a half we've been working on this budget for over six months we start in there in late September we really start to put the budget together in October we work on it for two months and
let's not forget the superintendent submits the proposals to the board it was December 5th so almost four months to the day since I show this to the board and we've worked it through our local town process so there's a lot of thought a lot of work a lot of conversations going into this budget to get this money so just a reminder we want to make sure we're providing the necessary resources pursuits and make sure we are complying with state federal law we also want to look at maintaining our class sizes we obviously will adjust based on changing need the third goal is to provide a rigorous and relevant curriculum using best instructional practices and and all of that is aligned with our strategic plan our goals our fourth is to provide the technology infrastructure necessary
to the move our students forward and the fifth is to maintain continue to enhance programs remain obviously responsive to changing these so those are the base holes that we started with to form the budget from there this is really important this slide for those in the public until reminded of the things we had to do at this time last year to have the budget to move forward and what we're living within the 1819 budget in quote dr. ruby from the board finance meeting about a month ago we lived with these issues every single day and if sometimes we suffer through these issues of what we've reduced we don't complain about it but these are things that have been reduced and you can see there's a lot of positions and people on there so do take
a look we have understand for a second just make sure I see everything we reduce three part-time clerks the elementary in middle school we reduce a monitoring reader at the high school we also reduced an administrator and that's how we created our seven position we combine subjects under one administrator with a reduction of one administrator we also reduce total position we reduced the secretarial position we reduced an elementary teaching position that was based on lower enrollment so that wasn't something that we sacrificed through and we also pull off the start time consultant and we put it off the world language lab which Collette talked about how the financing now going forward those reminders what we reduced and what we're working with in this current budget and I were talking about further adoptions going forward for
next year so a couple of things that we did last year that I thought were frankly great framework from this work in guiding and supporting administration our collaboration was what we did going forward for this year and solving the problem in our guidelines for reductions when we met with the Ad Council went mad with Canada who met with the principal's and continuously refined right up to about 3:30 today and working with other principals who are in for a professional learning as we talked about earlier it was we want to keep our value progress I actually want to start with the least direct impact on our students that's the first thing we want to do is stays far from our students as possible everything in effect suits from the cleanliness of our schools to the responsiveness
of ejc issues as well as curriculum writing and other issues that go on having said that we want to keep our value programs we want to continue a district project in alignment with our strategic plan our board four goals we want to maintain our student support services we just talked about a big investment of three professional learning student support services today we want to adhere to instructional requirements and legislative mandates we need to do that we want to maintain adequate adequately safe and secure environment as well as provide necessary supervision not only for students as you learn tonight enough administrators to properly supervise an evaluator staff and then in addition to that the final one is some of the tremendous progress we've made from when I came here four years ago and then a disarray
that at the back office of this district was in we need to maintain our district operations specifically on a financial and regulatory control so we started saying we've got to maintain those six areas so this is our proposal you turn the computer that'd be perfect I'm gonna walk you through this you'll see that these reductions that I'm putting forward as options for the board to consider this evening really do meet those six criteria talkative and we still meet we believe as best we can so many articles so we take that $50,000 off of the three hundred fifty nine thousand right off of the bat a little language lab is mrs. Stern described some of the new things we looked at we proposed a business department chair position and a strength and conditioning coach at the
high school we would hold off on those for a year we also looked at level funding library books at the elementary schools we had asked for 14,000 additional dollars on top so we did level fund similarly at the high school and middle school we would level farming equipment replacement and not after the additional twenty two thousand dollars you've heard ought revision learning they did a lot of professional development over the last three years with the administration we're actually in a pretty good place there and so we're going to hold off on working with revision for next year so these savings of twenty five thousand dollars across the wall for schools we've reduced the new ask and we would essentially level five instruction and other supplies across all the schools however we still would be purchasing
science modules that are critical that we purchase said the other one really knew asked in instructional supplies we would have significantly reduce the asked in confidence to travel and reduce that down to a historic level and not ask for new technology supplies we would reduce $10,000 in the supply area which would be a lab replacement that mr. Coughlin was working on for the high school for a hard lab for the that's house for the earth department but what we do is said we're looking to go more mobile at the elementary school so we have newer desktops in one of the labs at huckleberry it's similar to what we did this year we replace the stationary lab huckleberry with new Chromebooks and we take the pretty pre-owned machines essentially for a huckleberry which are newer than
the ones of the high school we replace those up there so that's how you can get savings there in technology and equipment we would reduce by forty five thousand dollars that is actually holding offer a year on network switches which would be for an update upgrade to the phone system at huckleberry one of the things we talked with Eric about is this is something he can hold off on especially because now we're in a position where we have a school project and while it would be wonderful to upgrade phones if we have a little this for another year we will be okay and it would be status quo in terms of with all system works textbooks reducing by ten thousand dollars across the board Dave Houston's we have a data team at the huckleberry in
was seen here we were reduced and we can talk a little bit more detailed questions about that and so we worked out through the principles where we might reduce data team and replace that with other savings that we have for teacher leadership and work that needs to get done working with dr. Berube's department reducing professional development by ten thousand dollars you can kind of slowing down as some of the things we're doing and then the other piece here is the open maintenance mechanic position you may recall and talk about a little bit about that we have under mr. Hall well our Director of Facilities we have received with 11 I was able to find at this point we have three maintenance mechanic positions we operated with only one meet instant cannon for quite a while
it was not any stretch we we hired recently hired a second mate in some can athon great person and that's working out quite well right now and we still have an open third maintenance mechanic position working with mr. Hall ball as opposed we we made a decision in terms of internally and in wonder bringing that forth you folks evening is to meet this three hundred and nine thousand dollars to fifty nine thousand dollar production this this is one of the positions we don't want to eliminate but utilize the position and in the way we've operated and just not fill it going forward for the year and but be thinking about if we need it and we could find savings as the Year Vols with savings sometimes that we often find in salaries over time through
nutrition and other things if we do need that position and it's an emergency or we just find that the workload is too much we would bring that person and try to find that person but we don't know how to eliminate the position because ideally we'd really like to have but again these are difficult times and not one of those things on the list was was funny to talk about we've kind of multiple later is across the district and we're doing our best to stay far away from the students as we can directly continue to move the district forward so that's our proposal for options obviously open for discussion clothes silence oh yes so there was an ask for clothes at the middle school so we would not go forward with those and then at the
high school we would reduce the middle school and high school reduced one site that isn't super popular club siphons that was an additional as for it are we it's combination so what the new ask there's two clubs requested by mr. Etta in the soil and then includes two other site is that what's the line under equipment replacement it looks like this is revision revision learning is a title that was professional development for the administrators for teacher evaluation do you have this um I think it says yeah I don't have a copy for you and add that equals that equals three three hundred fifty thousand four hundred thirty dollars three hundred fifty nine thousand four hundred thirty jobs um I would actually like to ask oh all of these line is but maybe just starting at
the top are the library books these are not classroom libraries these are actual ones that okay okay having been through this is now for budget with reductions dr. Ruby every single year we cut your recommendations and it pains [Music] what are we talking about in the way that we're cutting you again or we're asking you to cut because a 1 year 2 year that's fine but I mean this is a 4th year we're cutting for your programs and your recommendations are on the cutting block again well with regard to the professional development they did ask me to be more generous I just didn't do it are you laughing again um was a nervous twitch um I think it was of course but that doesn't really tell the whole story so I'll just tell you because
we're gonna budget freeze right now the monies that are in my budget for a Sena to be for teachers that are working on curriculum that there was a lot of work that was planned to be done for this the rest of this year because they've had the professional learning opportunities with dr. Alcock and they've been working on curriculum in all the schools but we put the you know the halt on that so that's slowing us down because we're not able to do the work that we had plans to do from when did we raise lake absolutely so from two weeks ago through the end of the year and then so this is an addition so it's not a certainly not ideal because you know it plans that align with the strategic plan and the district
and school improvement plans for a curriculum development so we'll slow things down that $10,000 and because it's on top of what we're not able to spend this year because of the freeze so you know it's not this is not ideal but as John explained we had to look across the board and everything not you know not just hit one school or all the schools in different places we tried to you know spread the share of the joy now spread the pain around and so you know it's not it's not it's it wouldn't be it would be my choice if you look at any of these other wines they're not anyways choice and then I can share with the board a that's gonna give you some perspective kind of held off there's one one more slide
to show for a second yeah sure no this is work that so so app after what I have just and I really don't wanna say iron have the team put this together to try the rest is the next level is actual positions that exist with real people that are in them and again it starts to get it programs and it started to get it taking a look at may be reinstituting day to participate if we don't want to cut programs I mean it's just we're at a point you know in a stand by my word I said the poor defiance meaning when one of the members was talking about perhaps a 2% reduction which is over $800,000 that really does mean larger class sizes it means people losing their jobs and it means less services
for kids and less valued programs and there's no other way to do this every everywhere we turn were lured there is no ideal place to do this so we see as far away from the children as we could and that's the options I'm providing to you this evening and again certainly open to the discussion but I want you to see that with $359,000 and frankly it's really three three hundred and nine thousand dollars it's called explain because the fifty comes out for the world language lab just to get three hundred nine thousand dollars we're taking a great table things away and we get into the maintenance mechanic which is you know open in position but it's a position and then after that it really starts to dig into the actual instructional today because we can't
go any further on secretaries and other infrastructure type positions administrators etcetera who won't have appropriate and safe frankly supervision and management schools a few years back mister Belinda came to us with a recommendation for elimination of the BHS training center with having the English teachers work together to fill that position and the board did not okay it I think that's maybe something it's his specialty and this is during that mr. Belinda does every single day and his teachers at the time were willing to step up and provide the students with that opportunity of the center hmm I think we should really look at that that's just ya know so glad brother mark if he comes to the podium we we actually talked about that at length and some of the data has actually changed in
terms of the usage of the Writing Center since we brought this to the light in addition to that with the program studies that were proved a couple months or so ago there's the media center folks are like our media specialists are doing more with the a be cast on now so they have a different assignment coming up where they would have supervised that but mark all that you talk to the details of that I've got as far as the right external usage so these are total visits 2016-17 get 401 business 17 sorry I apologize so for 1617 it's not Robert rules it's the microphone I can't attack so 16 17 at 401 business it could be repeat business pursuits to the Writing Center 426 in 2017 18 right now 18 19 we have 291 business
to date but also we've been utilizing the Writing Center for as well as been some work outside of just writing so there's a bunch of tutors they're really good kids we've actually been recommending some other students go they're gonna have to help with more than just math or writing or maybe some science doing things like to ask people to utilize skits for more than just writing depending on the number of kids that are there and we've had about 133 visits so far this year for things that are connected to writing know what these these statistics don't show is what happens first and last block of the day oh the third person who staffs at the Writing Center actually is only here second through fifth second through fifth period so first and last period they're actually
in the library already to user a students are here working with kids individually it's the most smaller group but I was able very quickly to get those actual numbers so they're not actually included in this you know I don't have a number to share service to where that is because it's gonna take a little more time to actually log that stuff and sort through the notes and the writing sir notes so the reason I get these numbers is a network it goes actually into the physical writing center they're signing into the computer here they're showing up at a table and are working with tutors now we record those the tutors are actually writing their session notes but it just takes a lot longer for me to go through and figure out which ones are first
in sixth period so they're their peers yes or suits yes it is son independence I just wanted to be transparent about the numbers you know certainly the ones that I'm sharing are the ones that are directly connected one of the staff member that is working the right series connected to it and the teachers that are willing to so you know that you know my original plan that I brought back several years ago to your point you know it was to really kind of sat it at some point here in the library that was the initial plan you know using the school librarians that we have here as well to support that piece and trying to figure out how to rotate teachers through here almost as a duty like pulling away something else to get them
in here is a duty doesn't certainly affect some other things that have to play some place the numbers games and move things around because they those teachers do already have duties you know let's say Paul or something else they have to do and figure out how to manage that and get them in here to do that because it being outside of their normal contractual five classes they teach so I figure out how to do that but today's I did to produce and and just being fully transparent I think what we've seen is that you know the Writing Center is kind of a falling a little bit more right and so we're be able to send kids there for more than just writing in math which is what most of it been mostly writing a little
bit of math and now we're seeing the opportunity you really have other kids to work with kids during the course the day to get some of this for me oh yeah I do because I thank you a different sure feeling right about that [Music] yep the mechanic just want to be transparent like mr. Belinda we need these positions in our school to maintain our buildings we need the support on the budgets for the items that are needed to maintain our schools not only for the students but the faculty and the community enjoyment of our schools by eliminating positions and eliminating services this is the reason people that were at the point where we are building a new school had for the past X amount of years we had funded these things properly and had taken
advantage of the items that were recommended to us we would not be in the position we are in today of building a new school I'm not in favor of getting rather than the mechanic because of that we are building a new school we had it an obligation to the taxpayers to the students to the staff to everybody in the community to keep this school up to date and in good shape we haven't done that in the past and it's costing us 78 million and we should really be cognizant of this fact thank you [Music] this is a position that was not filled this year but we've been struggling everybody has been doing their best and there's just so much that you can stretch people and when you stretch people it's it's a natural thing that
if it's not on fire you don't fix it but when you don't fix it it gets worse over time this year it was open okay I mean I'm the biggest one I am constantly looking to cut cut costs I am cheap as the day is long but you know would you step over a dollar gonna pick up a penny no we need to change our mindset as a town going forward with this new school we need to make sure that was skinnier and Berfield high school are properly maintained this is not fair we had some beautiful buildings and to have to be in this position it's just wrong in my estimation can you sort of summarize for us what's the difference between the maintenance mechanic position and a custodian what does it mean this mechanic
- that the custodians don't do the maintenance mechanics will do they would perform we have a full staff we'd perform preventative maintenance on machinery and they do other repair work in construction you know the roof isn't working properly the sodium's are more cleaning and because we've been down essentially a position in this area what hasn't been addressed in a timely manner do you have any sort of estimate I mean if there's nothing that we've been tired that we haven't addressed that's being imposed to be been in a reactive mode and a proactive mode so nothing's been sort of like we haven't been to that there's some of the major things that we talked about like the HVAC issues that we have frankly are because of the entire system that were hopefully going to pass at
a referendum and move forward as capital progress that one person isn't necessarily gonna address because that's actually a specialty advanced and specialty of Joe who's now or for the last few months so there is a lot of chasing just to keep up with the old system and until the new system is in place we're gonna have to do that and so but once the old system is the new system is in place things probably should we would assume get a lot better I'm not making an argument for of the options I put out here for the board to consider I'm just trying to give you as much information we can how many maintenance mechanics do we have in the desert we have two right now we've had three we have three correct correct and then
mr. Paul also director of facility okay also oh okay we go back to that slide what would have be easier to lay office yeah and I know it's like it's a lot more about it to be honest I think this is probably our most important meeting of the year is there any way that you can sort of like go through and I know you kind of already like sort of gave a brief summary we'll each a mess but I'm kind of looking for more of okay if we reduce $14,000 in library books what aren't we getting so we can sort of communicate what exactly is that real sort of impact that everybody you can understand what we're not getting by reducing that sure so if people we have to do with that Rosa is to
have a full detail on each library and what the librarian plans to purchase with level funding and then what they would a detail on what they would plan to purchase with that additional ice I'll be very frank they were not prepared to do that right detail tonight it's slow every everything on here that we've both there slows down the the turnover materials that we need to have in our libraries and I know both other exploring very hard on and we have expended essentially our monies this year to make sure that happens and so we were looking to do that under database is there anything any other particulars you want to go through or or yeah otherwise yeah okay so I mean I can't have members I have asked principals to talk about that a little
bit maybe we start with the morning you talk about $10,000 already maybe morning you could describe a little bit about the dating and yes RBI stipend for people maybe I could definitely do that maybe you do that too so okay if I would have a sentence really ready to go and I didn't think we've got all the detail for the data team Saban's each school has each of the two elementary schools and those will have the data team statement and an RBI segment and so the feeling was that if we had to cut something that we could combine the the the work that's done by both of those into one position with the principal taking over the overload because it's a contractual situation so you can't say we're gonna pay one person who do two
jobs that won't work but to kind of combine the thinking on that and then the principal would oversee it so we did not cut CES because Mary roses by yourself so there's I don't think when you're by yourself as administrator overseeing the entire building that you can really take on something as something additional like this but that was the thinking obviously not you but it was going through all of the statements with the principals with ourselves with carries and she knows this better than anybody she knows all the statements inside backwards that that those were just things that you know something had to go we had to find money they were just kind of cherry picked because they were they were related it was another it's tape in there and they're those the principles can
tell you they are heavily involved in both FBI and ADA team so that's really I mean the rationale behind that no idea the library books I can't give you specific detail like John said on the books but this is the additional ask we have money you know the number is remain that will be level funding so that they are they are doing some replenishing but having talked to cinema library media specialist and the reading specialist we're looking to we haven't really updated our library in any great way in a long time we're just replacing both whatnot and we really need to ensure that the libraries in the schools have books that are especially nonfiction books that are aligned to the curriculum that we're teaching so that kids can expand on what they're learning in their
classes and be able to go to other books so while we're increasing our classroom libraries to have book sets and then book when I say book says I don't mean like 30 30 copies of a long book but book sets that align with whatever the topic is but then we want to have additional books in that particular genre for students to be able to take out of the library because we're hoping that they're not just reading in class that they're getting you know hooked on whether what they're reading and they want to go to a library and take the books at and we don't have those types of books so that that's one of the goals of that for the specifics of what books they want to order we'd have to get that from the
librarians so a level funding can't get you sure what Senator don't we have to be level four without district wide were $38,000 which is what we spent this year so the budget task was to do thousand so we got 14 we respect after 2:30 neither he essentially sanded this year and said 21,000 prior question with the Student Activity fun we had we had balances in the lost book and and overdue books that was gradually being spent down has that been spent down where's that money I can actually be put into soon the library budget they have been spending it out I don't know off the top of my head how far they have because if not that but that would exactly that money goes correct is is directly to back to the libraries and those
specific schools yes so that might be sure and a question as well on the equipment replacement I'm we you have it for whiskey near and the high school but not for huckleberry center school or will actually be having new equipment in three years whether there's much built into this budget bit or was the based on the assumption that would it be there or is that a source that we can I mean obviously we have to replace unsaved equipment but if there's just equipment that's getting old we don't go into the regular cycle of a replacement based on the assumption that we'll be having it work this was beaver several specifically identified items one of which actually was the choral risers for the high school which we actually bought this year that's an easy wants to
take out and then there was another musical instrument at the high school that I can't pronounce it was about eight thousand dollars that mr. philander said they could do without and then xylophone it yeah so that's musically versus furniture right right what about the furniture budget because I know we do have rotating maybe we have a reoccurring schedule a replacement of furniture right is there something with that with centers school and huckleberry that we might be able to peel back on our regular replacements again replace some parts are safe but if it's just it's on regular schedule replacement if that's gonna be a source of service look yeah the principal's an actress tell us what specifically and never we do have a seventy eight hundred dollars in for center school furniture fixtures and fifteen thousand
dollars and for papillary so this area we can look as well yes yes [Music] the $10,000 for its that was cut in half those are textbooks that need to be replenished replaced throughout the district and but that's not the yeah no that's we're not going to adopt a pen yes and it doesn't necessarily matter we originally had fifty two thousand dollars in there if we were going to do that full implementation we reduced that down to $25,000 for a k2 implementation and I shall dr. Ruby talked about we actually had some we have Amina this showing incredible growth versus we we recently had a district data team meeting and I know the the actual numbers in front of me so I'm gonna try to recall them and please correct me if I make a mistake
but we looked at the scores at in the classes that on star math on the classes that were the pilot classes as compared to the classes that were at the pilot classes and we saw forty to sixty percent difference in the scores yeah I don't want to speak for the principal's but could you come up MERIS but it was like when we saw the data I was it was really an impressive if the students were scoring in the significant below rain red range star we looked at the growth of the internet I mean in in in their GG time which is there SE math high near 67 percent again had gotten out of the red level into the yellow you know it really was pretty impressive and I will just speak to that they love
GG I mean ecology their GG time and in the classroom on SNS so we have right now happy to have barbers grabber or kindergarten doing using it and it's 60 minutes a week teachers have worked out have made it a priority to work out how to get the device to the device is a little bit a little challenging figure that out but they're on board and what you're seeing really a lot of engagement a lot more engagement with with students wanting to do the problem students who are typically high achievers getting frustrated because this is not something you can just figure out and memorize so that's been a nice thing to see kinda both love you know students across the spectrum of ability level and they're not gonna be really engaging while it's so great
in many cases per week about honey says event you know I got from the are wrap from the company so that all the students that were enrolled were engaged and their time was exactly where they they thought it was would you know should be because they have a vested interest in making sure that we reason the way we should and a lot of children we're nearing completion of the of the pile of material so um that date is that indicates that the kids are exactly as Mary rosette really engaged and we're not letting do it because we want to keep this clean we want to see you know student achievement on the program in school making sure number one that students are doing it because this is important data for us for decision decision making
about what we want to do so well if this was a program that we were you know already using in-house they'd be able to use it at home at the beach and the car or ever they wanted to use it because the more that the more they can do the batter I don't know Melissa if you wanted to share from your school so we have K 1 & 2 that are using it right now in pilot classrooms so we're currently second grade and we have three classrooms that are currently piloting it and we also saw a 67 percent increase in the students that were or have an emergency meeting asking math based on just the progress monitoring with a star map and the students that were below that twentieth percentile so we were also seeing
a really big increase and seem as my growth set the students loved it they come in singing the song we do it in Laurie 30 they come in singing about Gigi every day a lot of positivity from students and staff and it's been a very easy there was a little glitch in the beginning in terms of just getting the kids used to the technology but now it's been great I was should go done in more second grade so it was just a matter of that amount of devices we had and being able to figure out the logistics so we just we selected a 3d person to do it so the days that we arguing is right in line with the data the national dataset that the companies share with us and that's in all of
the the research reviews which was really kind of confirming for us and you know something that's getting our children really excited you know you see kids being excited about science we want to see excited every single thing they do and I can just make a connection to the work that we're doing with social emotional learning and the time we're learning you know we don't know we don't know every child's story we can't look at this child's doll what kind of home like they have and really you know unless there's something wrong that we know about that we do we need to treat all kids the same you know give them everybody opportunities and so to have kids come to school and love being in school being excited other than half over being excited about their
science program be excited about that being with their friends you know I reluctant to offer up something like a ski map that has the potential of doing in the long term great things because we're seeing in the short term and the plan is if this was something that could stay in the budget that we want to increase as these children are growing through the grace that we would add the grace and with the hopes of really developing the types of cognitive activities that are so important and problem solving that we don't traditionally develop to that level in the type of math that we teach in classrooms because we can do in the classroom what that particular gamification of social temporal opportunities can do was the ASL teacher are we getting in they students already signing
up in a class all right the plan is continuing that investment in American Sign Language yes do you want sir I mean we have miss Holly here's law [Music] so we're at the point now okay we're good okay so we're at the point now what we're getting ready to finalize the number of sections of courses that we have students to register for classes counselors have gone through with students and decided what courses they they wanted to pay they left as primaries and alternates and so I will let Kevin show these ASL because it's really this has been presented before you cut months ago and this is her baby so I don't want to steal me thunder thank you so when I looked at the numbers last count was 127 total students which would allow for
five whole sections Wow so we're pretty excited about it now is that are you seeing then the reduction in Spanish and French or these additional your students that maybe weren't taking off foreign language to write and we also saw an increase overall of students taking over language particularly with our special education students actually I had a wonderful conversation with mrs. Griffin who came to my office and was worried that there wouldn't be enough sections I wanted to make sure that we adhere to the special ed regular at the vitamin classroom knows I go I don't worry about it we have five so she was really excited about that as well that's great yeah thank you any other questions with any of those items I just I hate to ask again but can you give us
more detail on the revision learning and what's in the instructional and other supplies so revision learning is a company that provides professional development that's really focused on supporting administrators to coach and support teachers through observation and evaluation and so it's really it we've been working on this for the past three years three years and it's you know it's it's not something that we're done with but when we have to look at because there we had plans for next year but when we looked at the fact that we had to cut things it doesn't hurt hits directly I mean obviously everything we take away anything we put it into the budget we put it into the budget because we thought we needed it and we thought we needed it because it had a relationship whether it
was supporting teachers supporting the the environment it is support students learning so when we support the administrators in the system to be better at supporting the teachers it does then directly through that through line impact children but it's not the same as taking away a teacher or taking away so we decided you know we had made tough choices the administrators would would not get that support next year and we would continue with conversations and building upon our own you know the work that we've done is that gonna be the same of course not it's like if you want to paint your own house or you want to get a house painter I wouldn't name an houses a look terrible but that's alright so we're gonna do this weekend without having those services a meeting scheduled
or through addition to you know get them that news should also help us with that transition if this is the way we open there we go and another part of that is to remind the board of the public that we meet monthly and as a full administrative team and we don't just need to do housekeeping activities we actually have book readings we do talk about what we're learning with revision or revision might come in we have most principal meetings and so we are working in reflecting professionally and collaborating all the time so we take the last three years of learning that we continue with that again none of this is ideal and we don't you certainly don't share everything even that regard and then you talked about the supplies so that any is $41,000 so
that's looking at basically it's not we didn't target items we looked at how much money was in that long that line across the the schools and I don't know what took the percentage and so we don't know that it is it's like if you go shopping and you have a list and it costs $100 and you only have 80 well some of the things unless you're not going to get you have to figure it out when you get to the store so basically those items haven't been identified the principal's will have to pressure will prioritize their supplies percentage it is half of what they have or can table with that sir the total insertional supply budget is five our $21,000 it was the most of it yeah and you said you said with us for
adoption of slat fonda essentially flat founded with the exception of the new science materials grows grows with scientists yes okay but he said it was wrong everything but science is why correct correct does that help yeah and then just a question for Melissa and Dean can you tell us which club stipends it would include which I know Marbury was sorry [Music] club stipends oh sorry okay yeah the club sign mr. W master the two that I had before were art and allies for diversity Club those are new yes and the other one I know for both of us I'm sorry my the literary magazine we couldn't fill the positions here and we didn't in the past years there's maybe the most 810 kids that participated in this training other ones that weren't as popular Thanks
one of our other clubs that are not really sure necessarily what that club will be but the sites are pretty much uniform across the board a look at the one that has really the lowest participation honours gonna be little magazine could it be newspaper there's a couple different options those happen to me today how minimize those participation but I take a look at it and make that decision based on what we have I wouldn't come into it now just know that I would give it a sec honey you know and I was gonna ask Melissa sent me some information she had libraries as an asset to come up to the podium because I read to her you know but I really did Stephanie in terms of information that you were looking for sure [Music] don't
mind me I'm gonna be reading as well so this came from Pearson our library media specialist when we asked them to give us what they want or what they need for the budget they also provide us with an explanation so she says we have a large collection of stocks in the library but many popular titles are extremely worn in need of replacement according to the Ala standards library should strive to have a collection each of no more than 10 years ideally to add two titles per year per student to keep the collection current and have an equal balance of fiction and nonfiction our collection also shows a split of 41% fact fiction and 59% of nonfiction while the title we analysis revealed an average materials age of 15 years containing hundreds of the books that
are still in need of weeding I would like to update the nonfiction section with titles with current information and build the fiction sections that have not made title series and lots of new additions they're also known as saying that there's books that are just not being circulated anymore up because a lot of interest so providing more fiction chapter books for work great as well so we need more books in the library so it gives a little bit more detail than I did thank you all we certainly I really like the idea of exploring the Student Activities the furniture a little more detail it might be a little trade-off there that may be something we gonna figure out not have to reduce in that area as much or at all very first [Music] okay a little
time this bit of classroom everything right now is our library yes for the library [Music] Maureen I feel like recently you mentioned with our PD that we were inviting other districts in to take part in our PD did you tell me did you say that one point or for this the trauma-informed yes because we want to form an alliance with them because everybody doing this work and eventually it's like John always clothes regionalization with a smaller we want to be able to since we're we're the first ones doing this in our region we're not the first ones doing it but in our region we want to be able to get them on board and then have our efforts more concerted so that when they're doing things will be a part well it's spoken about in
the past is how when we do PD we make Christian Right Academy and st. Joseph's because if we're using federal funds were obligated to invite them and we have title funds that we use for some types of PD and then they have our our students in their schools and we service them through our special ed and so when we have seats or room that we can that when the the items that I sent to you when we have PLC's and VJs I send them to the to the schools to let them know that what we're having and if we have room they are welcome to come and we don't charge that for that nor would we but when the other districts today now the only time we've ever invited other districts is this one yeah
and the the only other issue for sharing districts was with orange with Murray Alcock and so when they're paying her to comment to their district they let us know it's something that we're working on so that we we sent people down there and when the we're okay with them the difference is they always feed our people in our and what's in the EM technology equipment just rough knows 45 that was the process so that really just delaying every year okay and then revisiting what was this applies then at ten thousand dollars that was the replacement of desktops here at the high school okay and we with Chromebooks for purchasing we're almost at the yellow at huckleberry and an AP slightly used SF they're running off to the lifestyle way that slightly used versus very old
being operated for the decision area ladder so I'm from an expenditure of revenue just looking at the Medicaid reclamation yet are we still on target with what we budgeted is a or I'm hoping beyond hope that we're seeing the target what we budgeted so we might be able to we are not okay [Music] I can't tell you though we doctors wala I have made efforts when we have opportunities to have conversations to the parents regarding recent communications and so forth we talked about that as a source of revenue for the district and how important it is for parents who are Medicaid eligible to grant permission so we can rule out any parent no thoughts [Music] and if I look I think I just want to compliment the administrative team on it I mean if I
look at what you did was you really just kind of tighten the belts as as tight as you could without trying to eliminate any programs that our kids really value our community really values so it's difficult all these things are it seems like it's spring after everybody everybody has to take a little bit of a hit you know well no you know major program it's eliminated which is something that you could have done so I think that was a wise approach sorry thank you for that thank you for acknowledging that and you know the other thing we didn't even touch on is looking at class sizes as well and we don't really want to go there but it's to get that $309,000 is your class again if there's a point in this budget cycle that
we have to go any further it's going to be those kinds of things programs and in positions and it's right there right at the edge right huh sure yeah [Music] they're all [Music] well I mean I think it was a good effort certainly you know I appreciate that we're preserving positions I'm concerned about the library book reduction and the club stipends although it sounds like me those the clubs that we need or not we are popular anyway so that may be an opportunity and I'm not sure how I feel about the maintenance mechanic I guess the question is and let you continue but what's the action that you're looking for tonight um right now this is the last meeting before [Music] because that's my own actually but they should probably have as to what I
wanted to see so Noah won't be Google identity to determine another thing we need to talk about is going on for those bees are north of the hog like horses or they make sure it does pass murders they're out there and false as you know we've seen through the remoter so he mated these things get out of business so I think it's important to know that we know I look at this really reduce the reduction in this is the [Applause] I think the heart of it is we really that generous keeping them in a tight line everywhere and not on eliminating the program and then you can Union aid to the public what a Bud Light you really learn represents like you wouldn't want to do video and I mentioned because then you would be
you know really at RBE trim everywhere to summarize and not a program and again communicate what it was it's not efficient yeah absolutely generally you know you're sort of incentive that you know we need to do a move a hard you know led we take a hit they come but it doesn't stop us from moving moving forward and I think that some of the public you know they understand some of these are new programs they're not fast and so they hit me you know those are their fellows they're not necessary but hard those are the decisions or anything that okay I do that's the decision aside I'm glad we were that we are moving [Music] I think what is important for everyone who is not fully aware of this process this is three hundred fifty
nine thousand four hundred thirty two dollars we were told he had to eliminate from our budget and that's why we're here tonight it's not something we're doing because we want to do it it is hole that we need to eliminate it [Music] every community and I'm thinking that it might be wise for us it may make a motion and not approve it so I'd like to communicate forward of communicators are literally said everybody should with common ass now how we gonna allow introduced eh [Music] - good - town that we had a drink before we review this it is additionally because they direct and in a and and now that will fall off that's a good BB right but I absolutely think we ought to take away and [Music] that that we have the word
prevent the third proposal by the word and use of the preliminary are not options that the door was and then every pass administration to come back and on our knees maybe maybe multiple tasks to find we are we are they make you know ocean so so that we can return to the whole look in the coming was [Music] negotiation ah [Music] thank you everyone and Hennig administrative work this is tremendous [Music] any any Brewers shooter but if we look at the house we will begin [Music] we [Music] thank you everyone okay movie is a project I rearrange interpret that they love ugly ahead CC is putting together [Music] yeah alright really nice [Music] No [Music] Oh FL berry Friday this Friday family night [Music] the manly indicating in some ways they able to fix the
student-faculty believes another baby over lemon don't you - who are you - I wrote - okay I think the animals have emigrated career your bears on Friday April developer Murray to 11 at the high schools are loose missile right another look pop the OCD because you zoom your prom it's going on Friday this hotel [Music] you [Music] to do that at her second baby this concludes the other publicly supported evening thank you everyone have a good evening [Music] [Applause] [Music] you [Music] [Applause] [Music] [Applause] [Music] [Applause] [Music]
