001[Music] good evening today is Wednesday October 3rd 2018 and I would like to call the regular meeting of the Brookfield Board of Education to order if we could all rise for the Pledge of Allegiance pledge allegiance to the Republic for which it stands we have six of the seven board members present this evening jen is under the weather and cannot make it so first of all we have our student spotlight from whisk in air middle school dr. Bri yes so if our wonderful students from whisk and ear and mr. Benton Eric and mrs. Haas could come to the podium they're going to share with us what's going on with the student implementation of ruler this year folks may remember that we kicked it off last year with teacher training and the adults in school are
002getting trained and now our roller program has been expanded to the students this year so mr. Bednarik please it's baseball important you gotta push the button good so he is celebrating tonight his his team and his sons baseball team went undefeated over the summer so they are having a banquet in their honor tonight so and we must say that mr. Ben nari this is his debut as the new assistant principal yes that's whisking your middle school so thank you very much well I'm gonna go ahead and hand this over to mrs. Haas my name is Catherine Haas and I am an eighth grade Spanish teacher at was scenario school and I'm going to present what we did last year for our staff charter and then our students who are Rama Joshi in anishka Meno Hart
003are going to present the process that we took it to implemented in our classrooms so I believe that mr. and I already told you that we created a staff tartar last year um and this is it um so as you can see it has the feelings or emotions that we would like to feel as a staff and then their definitions with the behaviors and actions that would show and support those emotions and feelings so the same process that we did as a staff the students also did in our homeroom so they're gonna explain their process and then I'll show you some examples okay after Miss Haas explained that we would be creating a homeroom charter we worked in small groups to brainstorm ten feelings or emotions that expressed how we want to feel in homeroom
004and in school in general next each group shared their list with the class and we tallied the most commonly used emotions on the board we then chose our top five emotions and worked in groups to brainstorm specific behaviors an action that would help us feel this way at school for example some behaviors and actions that our homeroom came up with for the emotions safe our knowing the procedures and what to do and in case of an emergency like a fire drill or lockdown and following the safety regulations of the school finally we brainstorm strategies to help us deal with uncomfortable feelings or conflict here are a few examples remove yourself from the situation take some time to think about it before reacting talk to someone you trust such as a teacher guidance counselor friend or
005another adult and address the problem in a comical manner miss Hoffs then made our top five emotions and feelings into a poster to display in our homeroom we decided to include the words in English Spanish and Portuguese to ensure that everyone in our homeroom feels equal and included that the process they just explained was what basically every homeroom teacher in every grade also did um and that's what we did as a staff last year at a professional development um so I wanted to give you some examples of some of the charters that were created so far this year and a few different grades so this is mrs. Fitzgerald Colby Fitzgerald Charter so she used emojis to represent the emotions and there's we're respected happy safe appreciated and excited and then she lists the behaviors that
006their homeroom came up with to show what they were going to do in order to ensure that these feelings happened in the class setting and then this one on the left is Kayla Ryan's which also has the emotions that her homeroom came up with and then to the right is mine um and so I also put the emotions that my homeroom specifically came up with Rama and Anushka and my homeroom um and we also decided to include them in different languages because we have a very wide representation in our homeroom of those languages so these are some of the examples from eighth grade and then in fifth grade they did it a little differently they have more of a preamble um so on the left it's they have what can we do if things aren't
007going our way or people are stopping us from feeling assert energised and chill um and so they brainstormed what they could do for in the lunchroom um in classes or during special on the bus or at home and in the hallway in the bathroom and then this is an example of a class charterer I'm not sure if which homeroom it's from but um to feel energized and chill at school so we can be happy and learn we will respect each other and ourselves while working hard and persevering I believe these are fifth-grade examples here is another one from grace Cole buzz class it says we the kids of miss Cole buzz class in order to form a more perfect classroom family will establish kindness and respect we will provide an environment that is safe happy
008and comfortable and where mistakes allow us to grow we will believe in being compassionate and encouraging to everyone learning is our goal and we take it very seriously this is who we are and what we believe and they all signed it um and then for Emily Cooper's homeroom she's also a fifth grade teacher it says we the kids of Miss coppers class in order to form a super classroom family we establish a sense of motivation respect and appreciation we will be responsible for our own learning coming mentally prepared each day this way we will feel confident doing our work and in our ability to grow as learners so each grade or each homeroom took a little bit of a different spin on how they wanted to present or create their Charter um I'll get to
009that a second I'm mr. I don't wanna me let you know that for some grades they wanted to do it as an entire grade level um and others did it as teams or they did it as homerooms mom so this is our first time ruling it out this year and so there were different interpretations of it and they all I think aim out really great so the next step is to implement one of the anchor tools which are one of the tools that will allow the education of understanding your emotional intelligence to continue and it's um the mood meter which is a tool used to check in on how you're feeling in order to encourage emotional awareness and so Colby Fitzgerald and myself and mr. Brenda will be going to a training on October 15th
010um for the Yale Institute of emotional intelligence and we're gonna be doing some workshops on how to implement this in middle school and high school settings and then also how to engage the teachers in implementing this as well in the schools and other inker tools will come down the way as well there is a meta moment and a few other things that I will be learning since I'm new to this as well um last year there were two other teachers who were doing the training but unfortunately they're no longer working with us so Colby Fitzgerald and I are going to get some training this year so that we can further the implementation of the emotional awareness program so thank you if you have any very much questions you look just a comment I love the

012week I deferred my time to the principal's they were presenting the 1718 achievement results so I do have a few things to go through with you the first one is reviewing and just letting you know that the 2019 2020 budget development process is underway it officially started this week misterpost put the materials out to the principal's and actually we met not only as a central office cabinet on Monday morning but on Tuesday morning we met with principals and with doctors follow our special education director and we really we talked about last year's initiatives didn't quite make it into this this budget that we want to continue on as part of our strategic plan and our goals as well as you know looking at enrollment and all other things that are impacting what we're doing and
013what we need to do to continue to move forward along along with our strategic plan and to move our district forward so we're in the initial stages of developing that next month Ken and I will bring to you budget assumptions as well as proposed goals for budget development for the board to consider and typically on our timeline that's at the second meeting in October and then in November we also have a budget roundtable and then we have another board meeting in November where the board would likely kind of approve the the goals going forward in the assumptions so we could really finalize with the superintendent's proposal for 1920 would be which would be presented hopefully at the very first board meeting in December so we'll quickly be there and that's why we start so early
014it's amazing the other one one of our initiatives for this year that was a board goal that we were able to make good on through the budget process was the enrichment consultant Nicole Mike onus from the Yukon Center for talented and gifted was down with us last week the principal's the special education administration a few teachers myself and dr. Ruby were in attendance at a meeting for the day we spent a day workshopping the ideas of enrichment talented and gifted what it could look like different ideas that are coming out of different schools our program that we used to have and we come up we came up with some concrete concepts that we're going to continue to evolve throughout the the next couple of months as we continue to me the concept of integrating some
015of the we talked to the concept of school-wide enrichment and really that we really a concept of more of integrated enrichment and we'll define that as time goes on but coupling that and integrating with our existing curriculum design work and really building that in the enrichment in rather than something that's an imposition after the fact on top of curriculum that's already developed so that was one thing proactively we can do that we're excited about I've talked a number of times of really a number of times about really looking at how we identify talented and gifted students right now it's a very traditional way that we identify students and we identify through a very cognitive academic assessment called the ol staff whole SAP assessment and that's only one indicator now and one way of going about
016it but that's what we've used three four traditionally here in in Brookfield we're looking at some other assessments that really tap into creativity as well perhaps some kind of committee model where there's work submitted and you know a real detailed process where we really give our best effort for those students who might fit into a talented and gifted area and then what might that look like if we service if we do move forward with any kind of implementation for year one being next year we were talking about some really piloting small maybe in one grade-level kind of an area where we start to identify children as they get into their upper elementary years and how we can support classroom teachers and and figure that out again it's it's we're in the initial stages we've got
017a few months of work before we propose what we might need is resources to support such a program for next year but it's in the works and I wanted you to know kind of give you a status update where we're at turned over to Kenton for a second we transitioned as many of you know to the Canon copiers this year in one of my newsletters in minut news and numbers we went from 300 machines throughout the district down to 70 so while it's definitely more efficient and the machines are more high-powered and I don't mean to steal your thunder again there is a cultural change in how we approach printing and copying so I'll turn it over to Ken and how it's coming so far it's going very well I have to give a lot
018of credit to the staff for making the adjustment especially between wood we made the the change out around the rater on the opening of school and it's a big difference for them but like dr. Birol said the machines are more powerful higher-quality and we have the secure printing so you have to use your badge to to get something off the printer and it's actually come in handy a couple of times for myself when I've sent something to print and then realized I had to make a change and then I was able to go to up to the to the printer and delete the one that that I didn't want so I think we're gonna see some significant savings from that but by all accounts so far was very successful rollout Eric did a great job
019communicating our technology director Eric Conklin communicating with everybody and they brought in a very good trainer from Canon who went around to all the schools and did multiple training sessions who have gotten creaked a acclaim for her so so far so good yes so far so good and really again I can I'm glad you said that a real thank you to the staff because the beginning of the school year is hectic as it is and we were hoping to roll it out a little bit differently but timing is what timing is and the staff was tremendous as they always are flexible and for the most part positive responses but it is a change so you know some people aren't as happy as they'd like to be when they used to have a printer in their
020room for 10 or 15 years it is a change so but we're working on that and we do appreciate their their patience and their flexibility how much we saved over $130,000 a year it's a big save that was one of our one of our goals early on was that really examine those contracts and see how they are and so and we have to we have to give the purchasing agent Jerry gay not a retic as part of this whole of working that deal out we did a nice job with that professional learning just an update very I'll be very brief a lot going on this week and next week with Teachers College training continuing English language arts our new Smiths items Missoni and science units of study they're called modules more training going on with
021that continued training and social and emotional intelligence with the ruler program and then I sent so all of you yesterday the agenda for Friday's professional development for those who might be watching as a reminder it's a professional development day so teachers are working administrators are working and most of the staff is working but the kids are off on Friday so going well and continued learning and training it's just ongoing kids it's really fantastic the effort people are putting in speaking of effort of the walkthroughs classroom visits we're continuing from last year the walkthroughs are where the administrative team is broken up into triads we go out as teams of three and we're really looking at what have we done as administrators and how impactful have we been in working with our staff on helping them
022improve student engagement during lessons and also looking at that gradual release of responsibility model that were applied district-wide over the last couple years and we go around we take data on that and then we come back and reflect and you know it's part of that I think we were on the team last year walking around together head and so we're looking forward to that the first round starts next week it lasts about two weeks it will do two more rounds of that throughout the year I have to give mrs. Ferris our director of instruction kudos she's really there's a lot of scheduling and logistics and then obviously handing things off to the building administration to develop those schedules I communicated with the teachers yesterday and let them know that we'll be coming around and the
023one thing it's really important to communicate not only to our teachers but to the board and to the public that when we go around as an administrative team like that we're looking for the impact of administration and what we've done as leadership instructional leaders to see what's manifesting in the classroom it is not at all an evaluation of teachers it's not a supervisory moment to go in and evaluate what they're doing it's to inform our impact as leaders and it's important to communicate that because when three administrators walk into your classroom it could be very intimidating and teachers wonder you know you're taking notes where's all that information going we share all that information with the teachers at each of the buildings and faculty meetings so we want to be very transparent about that and
024make sure the teachers are comfortable with that the next one superintendent office hours one of the first ones we're going to set up is we're working at the working on the venue right now but dr. Cipolla and I are dr. small our special education director were actually going to team up and go out and have some office hours together and we're looking forward to that I think one of the coffee coffee places here in town you're working on Lisa's working on that and then Lisa came up with another idea I need some feedback from the board she thought about a stroll with the superintendent before the weather goes south maybe a walk on the Greenway and have conversations with people you try to go to some different okay I'm getting not so apparel I guess
025we're going to do that Lisa okay all right very good so literation as well yes there you go so so we're trying to get the you know some different ways to interact with folks and hear from people and answer questions that people have and I was interacting with one parent was asking about one of the initiatives that didn't make it through in the budget process for this year about school start times had a nice back-and-forth today with a parent on that so just when you have those opportunities to talk people get a chance to understand and and see all the considerations we have to we have to think about when we make these big decisions as a district so anyway we're looking forward to that that's coming up at the end of October and then
026the final thing it's not on here October 1 is always our big check-in on enrollment I'll be giving you a report on that at the next board meeting the enrollment report just want you to know that and Denise Walsh our power school guru is working on that as we speak including that pretty much together does anybody have any questions question well we get information it's a specific school request budget request from their Ennis traders will we see those lists or no you don't want that be shared you don't typically we get if there's if there's an interest in that we could have on some kind of process to have a discussion about that we haven't typically done that but I'm open to that if you want to see what principals are thinking about and putting
027forward we get all the information then we call it through before it comes it comes out in December so absolutely I know it's early as far as the enrichment consultant you know the consultant define like are we going like the gifted and talented or more enriched ranks I know those are two different that's actually we had a big discussion about that and we almost are looking at perhaps a parallel plan where that integrated enrichment concept is we build in to our to our new curriculum that we're developing and support teachers and implementing that and then also we would need a enrichment coach a talented gifted teacher whatever we want to call the position someone who understands how that works integrated into the classroom and it's differentiation up and down of course and by interest but
028also someone who understands the needs of the learners who are those students who are I then as talented and gifted as many of you know by law we have to identify as public in public schools we have to identify children that are talented and gifted but we do not have to service them okay and currently we don't have any program to service service them in Brookfield so that is something we do need to consider it as part of the discussion so the model being talented and gifted program per se and then the consultant looking at enrichment - yeah almost both in a parallel track so but again I think it's important too that when we talk about that and we develop that plan we would need a person to do that with expertise is there
029an area there's no doubt about it it's not it's not one of these things you could just put on top of teachers and expect it to happen yeah well and for the community to keep in mind that talented and gift is a very very small 3 percent of the kids right yeah absolutely and he typically identify in the third grade year and service most typically through the middle school years is kind of how that works upper elementary I'd like to build on the point I think over the years that I've been on the board we have had very pointed questions and now what are we doing about this so as we're developing the program I think it will be important that we communicate well on the concepts yes you know was it a pullout program
030is it in classroom program why is it a good program what is our measures of success on that program all of the concepts we fear we will tend to over/under communicate and and overlook any importance of telling our parents what are we doing right and I think that's extraordinarily important so that people have it in their head absolutely knowing a little bit about it used to be easy right it used to be how to program kids went to that programmer and once they went to the regular classroom it's not that it's not that simple anymore it's much more in classroom and much more [Music] differentiated larger and so understanding how that works why it works why it's good for my kid it is well ahead of actually implement absolutely and I think that's going to
031be important that's why we had to start the work right away with our meeting maybe it was two weeks ago now whenever whenever we had that first meeting and we need to get another one together soon with some tentative dates on the calendar because we need to have some priority we have to have a pretty solid proposal for when I'm talking to you in December saying you know we need this resource for this reason for this program you know that has to be well defined and then once once that's in place then you could have those conversations where you explain exactly what so do you think the first time we'll be actually talking about the definitions of the program will be as part of the budget yes I will not have it prepared until the
032delivery time yeah and then we then we could I think once the initial discussion happens on that throughout the budget process which I'm sure will revisit that talk about that a little bit more and as time evolves that that will crystallize even more because we'll have more time to plan so one of the things that people I think still don't understand is we're doing a budgets a year in advance in trying to you know then getting the consultant in place and putting these plans together you know this is what we're getting prepared and so it's a great opportunity it's a fort goal we're really excited about it and so we want to do the right thing by our kids and we haven't had anything in place for years and we want to make sure we
033get this in place and what we get in place we want it to be the best program oh I'm very excited about is just for full disclosure my son is a graduate student at the UConn program and she's just been named as the implementer for his school the American School in Monterrey Mexico to implement that's very same program so I'm gonna be listening to him Jeff holidays she was sitting - what was your in here okay that's gonna be fun yeah it's going to be exciting and in the other key to that though is yeah you have that happen you have to have the right person on the Austin in my city and so maybe part of this is that this program weatherization and we all are small and in the black I'm during the

039six four for the nineteen to twenty year 2020 only one I'm going to work with Louie and then the last year in addition to the contract eliminates to the payout of accumulated sick days of her future so it's for all the administrators the deferred of those that are accumulated passes we see a tuition reimbursement Masum that 2000 2500 vs. new year but what we did institute in the reimbursement scheduled for last so they if they heard the district and anywhere from the first unit of the fighters after to make entertaining education they need to reimburse this desert anywhere from eighty percent and there we had and part of the issue was you can get hired and then of [Music] actually we have theirs so so now I have a set up a teen and in

043southern minute and in really the genesis is that the current jobs Federation is inadequate for the role of the all of the and it really has evolved into a director and there's pieces that I would like to further develop in a position as the record here in district the partner and really a significant feeding player and team player as well always hiring improvement relations or communist boss or agents here the evolution of the and you know where where I believe I'm just gonna service and discussions with us are going to be regarding the position so this is the process we get immediately yes oh yeah so mine is because he's an angry right it's illuminating a lower position for a much higher one so I'm concerned with what is gonna be well and whatever I
044can can you hear can is fine frankly fine to that anymore since we look at the salary lining this past week actually with be hiring over the summer a new staff we have this is gonna be our salary I don't frankly a little bit more so there's room in the budget to do this now at the beginning of the year rather than we so we wouldn't be taking anything with anyone the personnel humanity did vote unanimously determined we were to to the full reward for recommendation her before witnesses a relation and a Senate and we were pleased about well we little bit under this person she should leave today and then we had to hire number one we would have to change to what position does so a little bit we have to change based
045on that and what would we have to do hired us we wanted to have this position further with lead increased responsibilities education things of that like and when it the job is job description that we have currently for this position it would not allow that it is expected to grow and in the direction that we went at all I like to see it grow also it is in line and it would be in line with it other factor positions we talked about that but we ate a great deal - look at him pull it back to dr. Irvin real education where we do you think that a position should it be this person has a lot of responsibilities they said a great deal of time and energy research and educating themselves further then they'd really
046be a lot of it for now I mean II think the other part the thing about it is the education attorney you can imagine with six unis and almost 100 employees there's issues beyond the many nieces of absences and family situations that call that the people have to deal with in their lives in a sharper position he's really coach role model principals in with the sense of loss is an interrogation terms of how to handle situations so if you really come as a director positions comparing we have a director position to the facility right position and technology we're going to bring in line the grand responsibility well we found was when looking at our different town positions the Director position has a great deal more employees that I have to do manage and it was
