okay well hello good afternoon everyone how are you today you are you are a terrible class you're supposed to say i'm doing fine miss gray bale but that's all right um today um welcome to our september title nine committee meeting um hope everybody enjoyed their month off last month and um have been getting themselves back into their back to school fall grooves you know over the past couple weeks it's not been quite as smooth as as many of us anticipated or wanted but you know what we we are resilient and flexible and off we go so um before we um get started i just want to um again welcome everybody here and um did you have a chance to take a look at the minutes from our last meeting they they were posted up for

us there wasn't that much that went on in there in our meeting we um just to bring everybody up to speed jarrell gave us a couple updates from the department of education and and if i'm too muffled you know you know what i'm going to do this i want to do this okay i'm going to take my mask down because i don't want you guys not to be able to hear me um but if you feel like you're getting my germs then just let me know and i'll put my mouth back on um yeah so um miss cohen asked a couple questions about you know cheerleading um we had a guest speaker um chris clay we talked about you know our subcommittees a little bit so um just using consensus reports um does anybody have

any objections to anything in the minutes if you you don't want to say it out loud or you want to just put it in the chat then i'm looking in the chat and i don't see any dissension right now um so i'm just going to say um hearing no dissensions and the minutes are approved as presented all right so moving on to the next part um title ix updates we really don't have um any title ix updates other than the very important fact that jarrell is now a dad um i don't remember the exact date that noah was um his little boy noah was born but um he's only been with us probably about a week of september 3rd so i am really like way behind so it's it's been like you know two weeks

but um mom baby and dad are all doing well so jarrell will be back with us um in for our october meeting so um our agenda isn't really it's kind of packed but it's all you know pretty pretty flowy um the main thing i wanted to talk about was our survey rollout because we had talked about and got approval for having our survey um in the fall so i have been working with jarrell and julie barnum to pick out some dates and we haven't finalized the exact date but we are looking um at um the beginning of november um to roll this out um we just have to figure out what those dates look like so that we're not you know interfering with you know any testing or any other major activities that might be

going on in the secondary world so um next on the on the agenda so got the dates and as soon as we get those nails down um we'll we'll let you know but um we will most certainly have those ready for the october meeting so now we have to talk about the methods that we are going to administer with which we are going to administer the survey so here is what i'm thinking and this and julie and jarrell had had thought of as well um we can use classroom computers we could go to a community classes can schedule their computer lab you need to go to that um they can use ipads smartphones um or we will have a paper and pencil copy um if they choose to do that um we were thinking about

um administering the test in homeroom so we just need to look and so each school may do it a little bit differently so the actual that takes me back to the test date so the actual test dates may be over a range you know and not all on you know monday the 20th it might be the range of that week so we've got several different options you know for taking the test um any comments or questions feedback so far i do oh okay jackie go ahead um just one thing um in terms of the physical arrangements of the computers in the classroom i'm assuming that the students will be able to take these confidentially that people won't be able to look over the shoulder yes and and that is um that is coming up in

one of the next topics that we're going to talk about yeah the um the the actual spacing in the room i was just looking at how we right for that comment was how are we going to get it you know get them able to do that but you know good point okay so the next thing um we have to look at is um there are some support documents well actually if you look at preparation is second but um preparation and support documents go hand in hand so here is um here i want to just throw this out to you and you guys you know chime in whenever you know um whatever you think so thinking that we need a a proctor script um you know how is the room going to be set up um

how you know um so that kids feel like it is anonymous and that no one has been nearby them um so and and so and i and i will jot down any comments that people have you know to that but we need a proctor script like what are they going to say how are they going to answer questions that students may have so we we kind of need to um i'm envisioning us coming up with some questions jarell has already um put together some questions that he thought but didn't want to be you know saying here's what we're going to say you know wanted we obviously want to get our feedback on what we're going to say so we need the proctor script so and we would basically need an faq sheet to address what

we think students might ask what um proctors might ask and what parents might ask so that those support documents um and then so i'm gonna i'll go through the next step and then we'll come back and we'll start all shining in so under preparation um we need to make a phone call you know using our school messenger or some sort of notification out to our parents probably about two weeks ahead of time um explaining to them you know what's going to be happening so that will be important you know for us to draft what we think that let what that call or for communication should be and then you know definitely explaining to parents that they do have they can opt out and what that procedure will be and that'll be something that um jerrell

and julie will help put together um on what that actually looks like so we have that and then um we we gather all of the you know people that are opting out and then those students can just you know sit in the classroom they don't they don't have to be removed from the classroom and it doesn't have to be you know a big huge deal if a student is not going to be participating in the survey um with that so that's what i have for some of the the kind of prep things that we need so open the floor to you guys on do you let's start with is there any other prep material or prep activity that you think that we should be considering um as we're getting ready to roll this out jackie

um i'm sorry i missed the call last month so maybe we talked about this before and i just don't remember would there be any value in having a small group of students and parents take a look at the survey and see if they could generate some questions rather than i'm sitting here thinking about what kind of questions i might have and i feel like i'm far enough removed from having kids in school that it's a little hard so i'm wondering if we would have time to do that it could be be very helpful well jackie that is um letter num um number five on our on our agenda today that we are you're just getting one year one step ahead of me on like everything um so we are going to take um leave ourselves

about 20 minutes to take that survey and um you'll notice that it is the link to it is in the chat um so that that is we've already seen what the questions are but what we wanted us to do was just what you said let's run through um the actual page that that the students are going to see and then that would help us to generate our questions so yeah okay so jackie's keeping me on task today so so is that is there anything that anybody wants to like try me like what do you think that um what do you think that we should be telling parents um in our in our initial call out um hi miss craybill it's julie barnum hey hey julie hey um i want to mention one one thing um

also in the preparation in case i'm not able to stay on the call very long okay so we also talked about um putting together a video for our staff um in preparation so not just a script but a video explaining what the survey is so that they can be better prepared to you know announce it to students or remind students this is what we're doing and it kind of gives them that script kind of go through it give them a preface to that and answer any questions that students might have before taking it and being ready for after taking it okay yes i did have that in my notes and i have i just wrote down video recording so i'm like okay i did want to bring that up because i couldn't remember what i

was what i was videoing so yes thank you very much for that gotcha so is there anybody else that you know has any thoughts on that uh i would like to ask a question did we um discuss when i know it's middle and high schoolers that are doing this i'm trying to be quiet so there's no feedback um uh like would it be homeroom have we talked about when yeah yeah i said that earlier that we were thought about doing it um in the home room that's why we need to do a little bit more of a prep time um with each school so that the schools can figure out how best to to do that but yeah homeroom is is what is the option that seems to be you know um the best according

to um julie and her experience you know with um in the schools and and conducting surveys the other thing since that question just came up the other thing um uh update is i've worked with folks in instruction and um testing and it looks like the best dates are that very to avoid um you know interfering with the testing calendar to to avoid any other types of things going on it looks like the first week which would be november 1st through 5th or either okay november 15th through 19th so we have two two weeks for um for considering uh the survey at this point okay so um should we just g are you thinking that we should probably just do this in one week or should we allow two weeks to do that and just pick

one of those weeks i mean it really seems like doing it in um one week would be good but i'd also you know need we need to also be monitoring what our um our code numbers look like so that we're not excluding anyone and making availability beyond that okay all right so folks mark that save those dates on november 1st through 5th and november 15th through 19th and then um why we're um between now and our next meeting we'll get those narrowed down um on on what seems to work best across um across the district at the secondary level stephanie it looks like you got some questions in the chat oh okay i'm looking here okay so we say um um love the video dot idea what about a video for students to watch prior

to taking so yep that would be a a good choice um so yeah that anything to make you know for the kids to be a little more prepared and a little less anxious um like one of the questions you know i was you know thinking of um they and and julie had actually brought up too is um when a kid will say well do i have to take this survey you know why am i taking a survey you know and and like a good answer might be um no you don't have to however your voice matters and we really want to make sure that um your voice and your opinion are heard you know those are the kinds of questions that you know we should anticipate and the kind of answers that we might want

to um develop for them so yeah having a teacher read a script kind of sounds like you're taking a test you know so the video might be more fun um and relaxing do you jada janie says do you think that parents will know the exact questions will they be able to see the survey prior and that's one question um that i you know i think that we that we should answer um what are your thoughts on that do you do we do we have to julie um show them the exact survey should we show them the exact survey um so that the parents can if they choose you know to talk to their kids at home about it or do we want to just kind of tell them that the generics i mean and in

fact we've already talked about the questions on the survey um when we talked about it at several title nine meetings and when we presented it to the board i mean the actual survey was put up on the screen and what we're going to practice today um there's no change it's just the way it looks so anybody have any thoughts on that you um had talked about doing a fact sheet and that might cover a lot of those questions and i guess if a parent really wants to look at it maybe we can make it available yeah that come in and um they can meet with jarrell you know perhaps um you know at his office you know or where jarrell can meet them at their school yeah we can figure out that those are good

points and in the um opt out form it's going to be or the opt-out process there's going to you know it's going to be helpful for the parents to see what those questions are and that can be a part of that explanatory video and i think there was another um leslie cohen had asked maybe with students giving the instructions and i think that's a great idea and our communications team has worked with students to you know do some pretty good work you know especially with regard to anti-bullying anti-discrimination so i think that would be great for us to find um even like a safe promise club or a club at the high school to help with that okay that sounds like a good idea so we um i'll have to i'll get with um mr

smith in the communications office and see what they might help us with um put that together yeah that's that's a good idea and stephanie if you just um if uh last year when we rolled out the bringing in the bystander curriculum we had like a parents night where we kind of reviewed the models or modules so maybe having that kind of mindset how we did it last year because we really did we got a lot of parents feedback but nothing really like we gave them enough warning about the sessions coming into the school year and all of that so we didn't get a lot of like pushback or feedback beyond that we just made it very aware that this is what we're doing and gave the parents plenty of like time to pursue any questions

or anything so maybe just rolling it out like that so maybe our phone call to parents is to invite is to tell them it's happening invite them to a family night kind of like what we do with like family life curriculum or you know any of those kinds of things um and then we go into you know the meat and potatoes and we can actually probably you know put the survey up on the screen at that point in time um yeah because i think some some parents are going to look at our definitions and go holy cow you know i don't know that i've even talked to my kid about that ever so um it might be that that would be helpful okay so then um do this call about two weeks out and then

the following week we have a parent's night and then they can choose to um opt out at that point or all the way up until the day of the test does that work julie okay yeah thank you for that yeah because you guys have already done this jamie so we may as well just follow a model that um that already works and then i can work with um make reach out to the save clubs you know or some of the other you know student leadership organizations that might um several of the high schools have like student peer groups you know that might that are used to talking you know in front of people and and and with their peers so that might be a good another good avenue okay well hold all these great thoughts

that you guys are throwing at me right now and let's go ahead and take a few minutes to look at the survey so if you go to the very top of the chat there is a link there for the survey and it's going to come up as high school but as you as you recall our middle school and our high school survey is exactly the same except for the fact that we list it says middle school or high school and it also um lists the different schools like it lists only high schools for the high school survey and only middle school and then all the work sorry i'm sorry steph i didn't mean there's no link in the chat people are asking free products it is it is it's the very first thing in the

chat if you join after the the anything was posted you won't see the old chats so i think that's why some of us aren't seeing it okay so um can you post that for us again kim okay hang tight looks like anita posted it you did okay so now now it is the last thing in the chat so um go ahead and click on that link and here here's what i um a little bit of instruction before we'll get practice up a little bit of instruction um if some of you i don't know how we're gonna how we would do that but if some of you would try and take this on your cell phone you know today um and if some of you maybe if you have an ipad to maybe take it on

your ipad and some of you um on a computer just so we can get you know some some feedback um about the the viability of the device so that we don't have you know kids trying to use something and um we get glitched up somewhere so the survey should only take about 20 minutes at the most maybe 15 minutes and it really will depend on how you answer the questions so you don't necessarily have to answer as yourself you know take a high school because all that this is all just information coming to um to our third party person you know that and it's just practice so it's not going to mean anything on what school that you pick but you know maybe pick you know no i've never had this experience or maybe pick

yes i have had the experience and then look at you know some of the choices that you get and just um work through that and then we can we can share our feedback on how that how that looks so this is kind of like a a little bit of working meeting where we're going to do we'll come back after we do that and and make a note you know to yourself you know is does it flow well um is it taking too long um this doesn't mean that kind of things we can always do you know tweaking of the survey but again this is the exact same survey that we wrote and we approved and got approved by the entire board so if we're going to make you know major changes then we would have

to go back through a review process so on your market set go and i can see your faces so i can tell if you're doing something oh except not amber because she took her face off so i'm teasing you amber yeah oh i'm not on me now i don't know how to tell if everyone's done um would you just maybe um like put a hand up or do i'm such a not a good um some sort of reaction you know on your face so i can just do a quick scan through and see um when we're ready to move i'm not rushing anybody because we have plenty of time but we do have to be done you know by our 4 30 time because edi is coming in right on our heels so folks why

don't you do this for me too um if you thank you john henry for your finding a typo um would you just put your comments any any comments or any corrections edits um right into the chat and then i'll have a record of those and it'll be easy for me to go back and um fix them and again i think everybody is just looking at the high school one so we'll have to have um maybe a small group of us go look at the middle school one just to make sure that we've captured typos and things like that me is there anybody that needs a little more time okay well let's let's go through the chat so we can see what other people um have put in there so that we can see if maybe

we missed it or if we if there's enough people putting the same thing in that we definitely need to make um a correction um okay so let's move down to um can we put a paper copy in each school's front office if parents want to go in and view it prior yes that was um that was on our list our suggested list too to you know have the opt-out forms um you know be um at the schools but so we will have them at the schools and at um the um at the parent night um can you please repo we did sorry i can't see it um i think i finished dawn you were like the number one number one fast finisher so um taking it on my phone it was pretty functional did notice

a couple things um amber so yeah just you know write those down or you can send me an email um you know or call me um let's see what well actually um do you wanna just tell us what issues you had amber maybe others have the same sure um i put them in the chat too i was just listening okay yeah okay all right yeah trying to save a little time um leslie did you did you put yours in the in the chat or do you want to say something you said you had a couple issues i uh put screenshots in the chat they're uh the same as amber's but the and then there was one question that had a box that didn't have any text with it so i'm not sure if there was

supposed to be text there or not okay all right we'll take a look at that um so uh mr henry's got like a little has got a typo so we'll fix that um no issues on the laptop yay the examples of gender harassment were missing you mean yeah because we i you know i've skimmed right over that when i was taking this all right yeah we got it we got to stick those in because we did create those so okay we'll pull those back um i don't like the heading of the student gh i didn't like that either i think we should spell it out because i had to go back and try and figure out myself what is what is gh is that a new term that i have to learn so yeah we'll

fix that one um i'm a gender-based harassment the example if you've got that example section with blank um update the language to say gender yeah got that okay um i found one response square okay let's we got that um look at your screenshot that you showed us nicely download i know i gotta get close because i can't see it all yep same one so yeah so we will we'll get those little mini things looked at okay so um john it says demographics asks whether the taker is hispanic or latino the answers are yes and no the options don't answer the question yeah stephanie ignore that it makes sense i read it again and it's fine okay all right now that's okay because sometimes we i mean i've taken this several times and some of those

things i just skimmed over and went oh my god i can't believe i missed that yeah no that's good okay actually got the gh spell out previous comments we agreed um i'd like that it takes you back to the title nine website at the end but maybe yeah and you know one of the things that's um you know in in my thoughts is sort of drafting some some sample proctor things was um to just go make sure we have in there that's um wording that if you need to you know file a complaint or if you have any more questions from title ix then you know how do you get back there um some of the things like the hold this thought we'll keep going and i'll come back um using an older mac air

book did that did it all work leslie on the older mac air book okay good um play just to help to help find the blank responses yeah thank you all right so um so one of your one of the points for um so as the teacher is um you know giving starting to give the instructions we'll have the url um on the board you know that she can see he or she can point to so that the students get that right in um with that um and then something goes down you know like if the web browser goes down on the kid you know gets lost in it or um screen freezes up then all we really have to do is shut it down and start again because the the survey is not complete until

submit um so they can still go back and start over you know um that was the question that i had asked like what happened because i went back to try and take it again so i took it the first time um as a sample and it wouldn't let me because it said i'd already taken the survey um so there is you guys may not be able to get back in um to the story we just took so maybe the next time um or i'll send you an example of the middle school and we can look at that one as well because you won't be able to do the high school once again um so yeah and then um some of the things i was thinking about you know we do need to you know get

a rate that you know if the student you know is is having an issue wanting to stop you just stop taking the test um excuse themselves and go see a counselor or just put their head down and you know go see them at a later date but yeah so we want to make sure that they understand what to do is there anything else that oh and then also i forgot and you're in the um fancy stephanie walker um no one got the spanish text the um but there is there is a spanish version of the survey so i send that out to who on our team speak spanish that would be a good um practicer i just want to say um there is a spanish version at the very top um you can switch between

but on the english version i'm still getting which gender do you identify as and i'm getting spanish um i mean i understand what it means but i mean i didn't know if that was a mistake i'll show it to you i'll show it to you after yes and that's one thing too on the survey there's at the very beginning there is an icon that that you can click to be spanish but i would like to have somebody who's spanish read it and make sure that it got translated appropriately you know sometimes words don't necessarily translate clearly you know if you're using just a translator so if anyone is a spanish speaker you can put your name in the chat or you know what i can just send this to the communications department too because you

have um a spanish asian or maria black and we'll get somebody from the school system who can do that yep thank you jennifer as i was talking out loud i was thinking about maria okay all right so let's just let's move i've been i've been taking some notes on the questions that have brought up so jackie talked about um wanting to make sure that the room was configured appropriately so that um everybody you know felt like it was anonymous um and that a teacher um part of the instructions you know will be that the teacher is there are no right or wrong answers the teacher wouldn't be giving an answer but she could help if there was a problem with you know reading it or understanding the question um the the professor um and that

the the teacher can circulate the classroom a little bit but you know um not necessarily and it shouldn't necessarily be hovering over anybody's screen so that you know a student doesn't think that a teacher is trying to look at their comments um any other things that come to mind after you've taken that or just you know going back to your testing days or any experiences you've had in administering surveys um i have a thought i think this is relevant to this point um okay i think as some of you know i'm working with the national team and we've been revising a sexual experiences survey to make it more appropriate for the 21st century and we've been doing some pilot testing with first and second year college students and one of the things that we ask

them is if you had taken this survey when you were 14 or 15 years old how do you think you would have reacted to it because we mean we don't we don't have the capability right now to actually test it with adolescents and what several of the students told us which really surprised us this especially around gender harassment when it relates to some of the cyber stuff and pornographic material they said things like i had a really protected conservative upbringing and i don't really know for sure what constitutes pornography or these sorts of things so i don't know if there would be a student i'm thinking maybe some of the freshman sophomore students might actually ask a teacher what some of those things and some of those first questions might mean and i'm not quite

sure how the teacher would go about answering it but i i'm aware that this issue might come up because there will be some kids that actually won't know what some of these things mean i think most of them will but there might be a few we got that feed anyway we got that feedback from some of the students that we tested that's right share that with you yeah no that's good because i can talk with julie um and um the instructional team on how best to to to approach that and we also don't want the teachers to be taken by surprise right exactly because they could be a little embarrassed trying to try to explain it yeah exactly and it's just being explained the same way across the board so that is definitely a good

faq um going off of what jackie said just the demographic questions get very confusing confusing for some kids and they'll get stuck on those questions and not see the whole purpose of the survey so just having a quick answer and make sure making sure they have like a timeline but also like don't be stuck on the the common questions that are just confusing does that make sense yeah like just latinx and hispanic kids are confused on what that means some some of them don't even know what race they are um fully so it's just very confusing sometimes for them and they get stuck there okay so should we have a box that says i don't know or i don't want to answer that or just i guess move on if they can i i don't

know i just was trying to throw that out there as like okay making sure kids are aware they can move on and get to the more important parts of the question okay good thank you should maybe i don't know be an answer everywhere i mean that would kind of address all of this if someone doesn't know what pornography pornography is then they don't know if it seems like a very gentle way to handle this to avoid embarrassment by everyone yeah it could give us more feedback just like it could just give us more feedback on like the kids don't know so maybe there needs to be an education piece added into like later on with programming okay so i think that would be something that we could easily add to our survey um without changing

the intent or the content of the survey okay now that those are really good points thank you did anybody um like answer um see the best thing about this this our little beta test here is that we can't take it more than once to try out more answers um did anybody pick that they had been um harassed in either category like a number of times did anybody pick that category and where it took them i did and i also um where you had options for check all that apply i always checked more than one to make sure that that worked so i um and and also checked things that um i didn't report and so it took me to the why okay yeah i did that one too like why didn't you report and and

and yeah okay i also put in things for other to make sure that that so what happened when you got another um you couldn't actually check the button but when you put things into the box then the button checked itself so that might be something to add to the instructions that if you choose other just start typing into the box and you um [Music] i think kids are pretty savvy uh probably better than we are about this stuff but um you never know when you're gonna hit a child who's had extreme screen responses yeah i hear you okay that is that's a good one how about any of our high school principals um or any of our principals that are that are on the call um what are your thoughts about because you deal with

the population you knew um daily i don't think we have a middle school person on on our call i know i got mr mccarty so he may have to speak for all if you don't mind me put me on the spot um i i didn't see any trouble with the the with the survey my question my thinking has gone more toward the processes of completing the survey in school um and how we would go around that okay so do you have any any thoughts for us on that we were just i know high schools have home rooms but very infrequently so um what so what um what are your thoughts on that or just what are your concerns what's more the concern about the number of devices we have so if the phone works most

of the students could take it on their phone so do you think maybe one of our prep things would be to find out who has a phone and how many devices that we might need to get into a classroom um the other alternative would be to do it doing it like a testing schedule where we just rotate through it would take at least a week to get that done though yeah and using the whole and that's why we thought that having a a week's window would be um good because then every school can manage it however they need to manage it and this isn't one of those surveys that would have to have every single student do it so if they're not in school on the day that you know their class does it um

it is not a huge deal except for the fact that maybe that's the student that we really wanted to do the survey maybe they're not coming because they don't want to do the survey but um yeah so that would be something that we would leave up to um to the schools let me ask you this patrick is there a time when um high school when the when the secondary principals meet separately or do you do breakout groups at the principal meeting we do yes at the principal meeting yeah so maybe that that the principal meeting in october if i asked to maybe get on the agenda maybe not me but get jarrell on the agenda you knew briefly to sort of talk about concerns um what do you think about that i think that would

be a good idea um and thank you guys i think that asking teachers to elaborate at all on any of those questions would not be a good idea um i i i really believe that if students have questions um we have to rely on the survey itself um and just direct them back to the survey and if they don't have a complete understanding i don't believe that we should have the teachers trying to fill in blanks okay so some of the some of the um questions that jarrell put together you know and posed for us to think about um was um he said one of the questions was due to the potentially sensitive nature of these survey questions students might feel overwhelmed or impacted by questions that encourage and are encouraged to stop the survey

and see so what would you have um what would you have the students do if they become overwhelmed would you have them just stop and put their head down or would you have them stop and perhaps go to um go to see um a counselor or just or go to the what clinic or get it to see it well if they if they ask for you know to talk to someone of course we would have them talk to someone if you know if they just need to stop then i would just let them stop okay we would certainly as we're doing this have people available yeah like because everybody in the school would know that it's happening and kind of on standby okay so your advice is not to go off script just to let

the survey speak for itself like not necessarily yes i because you're not it puts the teachers in an awkward position but also in some cases you don't know what the answer is that they will give that might be the advantage of leslie's suggestion of having an i don't know option so that the teacher just says the student if you don't understand the question then just mark i don't know and that way the teacher is providing the student with a very clear guidance and it's going to be consistent across all the teachers okay all right that's that that is helpful um so is there a subtle way without you know getting the attention of the rest of the class that these kids will be able to um ask for help i mean i think about you

know if i was a student in a room everybody's taking the survey and my palms are sweating and i'm really uncomfortable how am i gonna without bringing a lot of attention to myself say i'm not okay um i think we may need to address this as okay yeah that was one of my thoughts too is like do we just have them put their head down and then you know and maybe they might start crying or they might just have a panic attack so yeah i'll talk to julie um and her department about how we go about that because i also don't think that it's a good idea to have the teacher wandering through the right those students i mean that would also make me uncomfortable as a student as you know you're already even if

you haven't experienced these things this is a little bit of an uncomfortable survey right i want to feel like i'm in my little bubble and safe answering these questions so i mean this this is tough yeah so here's one thing that jarrell had had said here were some examples that he gave he said that today you are being asked to reflect on your experiences in school this survey will help teachers and staff better support you in all aspects of school related all aspects of school related to matters of sexual or gender-based harassment please listen carefully when i give you some important directions the information collected in the survey will not be a part of your grade or reflected on your report card in any way instead you and your teachers and your school leaders will

use the information to better support you so please answer honestly do you think that is something that is good i think that's good but i think it also needs to be more clear that it's anonymous like not only not affect trade we don't know that these answers are are coming from you nobody so his next thing was to assure your security and privacy new hanover county schools has employed a third party company that develops and administers student surveys no personally identifiable information is collected or stored when you participate in the survey nor do the new hanover county schools have direct access to the server and any information you provided so of course that would you know we need to tell them that and that would be covered um in a survey okay in instructions if

i'm 13 like that's a lot of words make it simpler yeah that's a lot of legalese okay i think we need to make that language more student-friendly okay um access to the server like i have access to your information i i mean i and and all and even the word access like like i my eyes went out the window as a 13 or 14 year old on that um just and and that's another reason i think it would be a good idea to have students um do a video that uh and i think they can help a little bit on the input of how to talk to each other and say these things so i think um let's listen to to them okay okay yeah so i'll reach out to our to our um counselor

and social work team um and see what they might have to offer to us i think there are any instructions to the student should they um if you tell them you know you don't have to take the survey even though we really would like you to you decide to quit at the bottom of each page it always says continue so is there going to be an explicit instruction about if you decide to stop it early how do they get out of it maybe we don't want to tell them that we don't want to encourage them to stop early but well basically um if if they don't want to keep going then they just stop that's that's the way it was described to me um by the the third party administrator can we can we just

tell them to close the window yeah i think would it be helpful to put it on like every page of the survey at the very bottom or something if you feel uncomfortable just close the window and stop yes we can do that okay yeah and i was wondering did anybody else think about this that um when you get to the next you know suppose you just wanted to skip everything on that page i i did anybody try not answering the questions and just pressing skip or just pressing next did anybody try that little trick no but i'll give it a shot right now okay the first page doesn't let you go any further without answering the questions okay it says some here certain questions are mandatory like your school and yeah what grade and stephanie

going off of what leslie said about like the simple terms with anonymous you could probably just take from actual policy about like reporting like go to the website where the kids actually report and kind of use that same language um just to kind of have that understanding okay okay that's a good idea these are all great ideas this is this is wonderful so much easier to do this not in a vacuum the um looks like you can skip the whole survey after the demo page so once you're done with demographics you're able to just skip through and it doesn't stop you okay so you don't have to answer if you don't want so should that be a direction that um you could just do the check box if you add that i don't know for

every question you could just put i don't know or hit next like go to the next question and then kids would kind of understand oh i can just move to the next question without answering okay would it be better to have an i don't know selection and i don't want to it's another one that says i don't want to answer i think that is a piece of information if they if they say specifically i don't want to answer i think if you know we have a question in a if if we have one school where nobody wants to answer a certain question i think we have something that we should be looking at right okay stephanie what do you think i'm sorry i was uh distracted you mean meaning when you get past the first

page and nobody wants to answer anything no should there be two different choices i don't know and i don't want to answer you know gender harassment and 70 or 30 percent of the kids at a given school don't want to answer that they say i don't want to answer that seems like a data point like something's going on at that school that nobody wants to answer that question and that's as opposed to them just skipping it just skipping it could be a glitch in the computer or a glitch and how they're looking at right i just forgot it yeah forgot it for some reason that question gets invisible because of how they're scrolling down um but if they specifically say i don't want to answer this something's going on that that seems like a data

point to me jackie what do you think about that but well you could say that but then they could say i don't want to i mean i know some kids are just like you know what i don't want to take the stupid survey i don't want to answer any of it you know i mean some kids are just like that i know my one of my kids is like that i used to go yeah i think the point is when somebody says i don't know they're giving us information that reflects something to do with that question but if they say i maybe maybe the option should be i prefer not to answer so there's for some reason they just don't want to say um i do think that it it's a little hard to say

for sure what the two things yeah might mean but they they certainly have different meanings yeah i think if you've got a whole survey where everything is i don't want to answer that's one thing right you get you don't read a lot into that you know either that child is a victim and doesn't want to deal with this or just doesn't like to take surveys or whatever but if you've got a child if you've got a survey that's come through and um everything is answered you know or a school where you've got a bunch of surveys where everything is answered except everybody says i don't want to answer this question there's some there's a reason everybody's uncomfortable with that question that was my thought yeah okay so i got that noted so i'll i'll work

on that with with julie and with jarrell okay so let me think here and look down through all my notes um did anybody come into this meeting after looking at the agenda with um any specific questions that we really haven't covered today um i do know and and i don't want to discuss this today because i want mr lewis to be in the room i do know we've had an issue with a non-binary student um an issue with bathrooms and uh i sent mr jarrell an email i didn't realize he was out um but somebody else is looking looking at that kind of stuff so don't worry about it it's sitting someplace because we've got other people in his department that will that should be looking at that and i think he's aware of the

issue that you're talking about i sent an email with some guidance and i'd like to just get that on the agenda so that we're uh for next time if we could yeah i have two things that i i would like to add to our next agenda all right hold on hold on let's hold off the the thoughts for next agenda just hold it for a sec is there anything else that we need to talk about with this um that for homework that i need to do or that you feel like we as a group need to do between now and our next meeting so that we are ready because i got to start you know where stephanie and i have to start reaching out to the people that are going to be our support helpers

you know in other departments in the school system so is there anything that you can think of that we haven't talked about um with respect to this survey um the only other thing that i wanted to just to make sure that you guys reminded you that we do have a third party person doing that um it has been the um that the money has been approved and mou is in the process of being written that the board will have to approve before we can do this survey so that's coming and the the report will the report will not be addressed to the title ix committee the reports will be addressed to the board of education so that would be something that um that i would bring for i mean i would share obviously you know

with with our with our team um but the report is not directed to us the report is directed the survey report would be directed to um the board of education so we'll we'll get that and and i don't know i have to i have to find out how long this takes you know for us to do that does anybody have any thoughts about you know trying to get all of our students or just get as many as we can get i think in a perfect world we get we get them all but yeah that's realistic um you know don't let the perfect get in the way of the good yep i hear you okay all right so um just because the meeting is not over but i just want to tell you that just because

the meeting ends if something comes to mind please go ahead and just email me um stephanie.crabill at nhcs or email stephanie walker at stephanie.walker number two at nhcs and give us you know your comments your feedback and um we'll start you know you know looking into those and checking into those is the meeting over i had one quick thing to say no no the me no the video's not over i just said that the meeting was not over i just wanted to make sure that you knew that um just because we are going to move on to their topic or the meeting is when the meeting is over you still have time you know um to talk um yes yeah what i want to say is if if you if it's not you're not going

to get all the students it's just that's but you want to get as many as possible i think it would be really helpful that as the data are coming in look at the demographics and make sure that at least the profile of students who are answering the survey is a pretty good reflection of the demographic diversity of the students and if you find out that there's a certain group of students whether it's the trans students or females or males or a particular school is particularly low we might want to revisit some strategies to get more students to fill that out but if it's a good representative sample that the size is not as important as the representation of the whole um gamma jackie do you have any suggestion on what is a good size it

obviously depends on the school but i mean a percentage-wise maybe um i don't i like i said it it's like like if you got 75 of the students but it was all it was it was all the the female students in three schools well that would not be helpful at all if you only had 25 or 30 percent of the students fill it out but it's it's a true cross-section of the students in all of new hanover county so it's not the number and the percentage as much as it is the representation if you could do both if it's a good demographic reflection and a large sample set that's the best it just makes data analysis easier but representation i think is the most important thing okay i think also it does get worrisome if

we have low numbers um that uh the uh representation it's gonna be hard to be even i mean to get our um gender non-conforming students um our students of of color and you know we're not it's going to be very difficult to get that representation if we're not getting good numbers but like we could have big numbers and not get any of those students and then um we have a problem maybe the video will help with that yeah so we need to yeah we need to get get rolling on those kind of things like soon so yeah so any comments that you have would be very helpful to that okay so um let me um move on to the next meeting we have um october the 18th is our is our date the third monday

of the month and so i'm hearing that um some items that we want to discuss are non-binary use non-binary students use of bathrooms is that what you're saying leslie yes okay and then um and i know that jarrell has talked with me about some some of that legislation and so he definitely has some thoughts on that and i noticed that you did see that you could you could still send jarel emails um or you can um reach out to mr henry you know in his office um jackie you said you had something that you wanted to add to our agenda yes for next week next time yes this is probably not going to thrill anybody but it's probably not too soon to start thinking about the next survey because when we first i mean it's

been it's taken almost two years to get this off the ground and of course i realized covet has made a huge um had a huge impact on that decision but we also in our early discussions felt like this first survey was going to be more general an information gathering thing but it would not be the kind of survey that we would be wanting to do like in into the future once every a year every two years and so it's probably not too soon to start thinking about what kind of information we want to be gathering on a regular basis as a way of assessing the effectiveness of various um programs and policies and that sort of thing and i don't think that this whole committee needs to do that but maybe a sub group but

it i just would recommend that it it's a long process so it's probably time to start thinking about it the second suggestion i have was again something that we talked about earlier maybe two years ago is that there is the probably maybe even internationally but certainly nationally one of the best known sexual harassment gender harassment research experts over over at chapel hill and it would be great to get her to maybe at least do a guest lecture but even become involved with her she's she's working with many many counties across the state of north carolina to implement a lot of violence reduction programs and i just like what is her name her name is dorothy espelage e-s-p-l-a-g-e i've sent all of her information to jarrell but i think with cove and everything that's been going

on this sort of didn't make a whole lot of sense but it makes a lot of sense to try to um okay get her on our radar and and i know her personally so if if we decide we want to do that um okay i think it might great mike these are great topics my my guess is that in october we will probably spend a good portion of our time um talking about the survey at hand um maybe we will um be lucky enough to have had a draft of our video you know created um and a a draft of our script so let's get all that stuff out so i the um me personally would like to see us wrap this up before we start talking about the next one because we do have

you know then we'll have november you know we will november might be a better meeting to do that so not to put you off but i don't know that next month will be the best timing for that but i do have that noted could we do for november if that's okay with jackie judd for her to come up with that presentation because i would love to hear what expert thing she has to say about next steps i think if there's a there's an interest in that um i i my guess is we might not even be able to get her till after the first of the year because i'm just super super busy so if we're interested the sooner we make the decision the better because it could be it could be months before we

could get something actually scheduled and the question is do you wanted to do a presentation to just the title ix committee to the school board would it be public i mean there are a lot of things to discuss right maybe people want to look into her background a little bit more to make a decision what might be most helpful well jackie i was um more referring to the the first topic you brought up which was the information on things that we could be doing as a district but we need to get our survey results back yeah i don't i meant for november but i meant you know i i guess i want to understand more maybe i'll just reach out to you jackie to figure out what you were okay just you're talking about the

main thing is i just wanted to get us on the radar that we yeah this is a lot of work we're close to the end we can pat ourselves on the back for this but let's just remember that this is just the beginning yeah and um i know that we don't want to do this quite yet but on the subject of going to the next survey um given that the report is not addressed to us um how much information will i mean not necessarily this whole committee but the folks working on the survey um how much information will they be um will they get to see and um we need to make sure that it's enough that uh we can move forward in an informed way yeah and so um my thoughts were that and

then we can certainly discuss this in november in october um and november is and i can bring up as a committee report at our next one of our next board meetings is um how do we want the data presented you know for one um because the whole entire board is going to want to see it so we don't necessarily have to have two presentations of it um but yes all that that all that is up for discussion because and i need to find out um and jerrell probably knows this and i just don't um on i've seen i've seen his requests you know for the payment but i didn't pay close enough attention to see when we were going to get it back so that that'll that'll pave our way um for a lot of

things because the board will hear some we'll hear the results and then perhaps give us some things they want us to look at or at our next meeting we'll take what they want us to look at and what we feel like we need to look at based on what we've seen so this committee may need to tune in to a board meeting but yeah that let's talk about that next month um when jarel is here is that okay that sounds good okay all righty so um here i do um i want to debate i want to make one closing remark before stephanie um walker you know closes us out for good for good um i forget where i heard this but i wrote this on my notes on my notes for this but a quote

that says if you want to go quickly you go alone if you want to go farther you go together so i just wanted to thank you all you know for your time and energy for all of us moving together you know towards um you know some common ground that that we really need to look at and face so um those are my closing remarks and um you will i will see we'll we'll get together in um in october so stephanie walker bring us home girl all right so yeah so i know we just said something about not patting ourselves on the back and of course we just have to get through the survey first but i think we put a lot of good work into it and i think that you know as jackie mentioned

and others have it's it's taken a couple years for us to get here and we are on the verge of doing something that hasn't been done before so i think we should be very glad that we are here and that we are going to keep the momentum going and i look forward to all the good ideas coming out before during and after the survey about next steps and what we can do to keep our kids um you know informed and and let them know that we're here for them so thank you everyone for your very excellent work all right well everybody happy monday have a good rest of your week and we'll be in touch and lisa brenner would you hang on till the end because i don't have your phone number okay lisa hang

on we're getting the live streaming turned off you
