we will start in about 49 seconds can you hear me Latasha yes sir cool thank you and good afternoon everyone it is 5 o'clock Miss Melissa can you ensure that we are recording and I don't see Miss Melissa Miss Le are you able to hit the record button yeah she she started it I can see the YouTube indicator on the left got it thank you so much so guys it is five o'clock as you know we started end on time I'm going to one thank you guys for being here today this is our fourth technically third because we canel our January meeting due to no questions being submitted um so this is our fourth scheduled um safety committee meeting and we have our final May um just want to remind us all of the Norms

but first I would like to see if superintend Orga would like to say anything thank you Mr Tasha just wanted to welcome everyone thank you for being here awesome and so just remember our nor Norms how do we speak we use the raised hand icon please speak when called upon but when you're not speaking we're asking that you please stay muted our goal is to always answer all questions during the meeting but we will take not note if you put your question in the chat we will make sure we respond accordingly we ask that we respect all differences of opinion and we will always start in on time so we are going to start with our agenda we do this is one of our largest agenda woohoo so excited about that and we also have

uh guest presenters today so I want to get us started and I'm going to start with the questions um in the order kind of of that that they were submitted I'm going to read the questions and provide a response some of um when we get to item G we actually have a presentation um so I'm going to start with the first which was submitted by Miss Meg um the AA president and I'm going to answer the questions in the order they were submitted meaning Miss Meg has a paragraph so I don't want to read the whole paragraph and then go back so I'm going to go one by one so miss Meg's question was um primarily associated with school safety um site Safety Committee and their plans and so the first question was does every

school have a Safety Committee and the answer to that question question is no but every school is required to formulate a safety plan the next question was how often do they meet the Safety Committee or the School site council meeting which approves the safety plan meets about four to five times per school year um the next question was are they open to the public and yes our School site Council are treated just like a board meeting um how are member members chosen um it each site is different but they have to make sure that there's representation on the entire um based on their entire Community which will be certificated staff classified staff student and parent um the next question was is there representation of entire stakeholders and that is yes um do administrators have to

turn in the agenda and their notes yes that is actually submitted to miss uh Dr Christa Furley who um receives those and document those how are the agenda set for the committee um they're treated just like a board meeting they are posted um uh prior to the meeting as well as their uh kept in chronological order are members of the school Community allowed to submit questions yes just like a um board meeting is considered a public comment um how often is the information for the committee um dis uh disseminated and shared um most um sites have theirs on their website but I know they also keep them in their front office okay the next one is we have Mr Paul Hernandez um we are going to talk about school um student discipline I'm going to

read the questions and then Mr Hernandez will provide a response this question came from Miss Marcia and it says what are the consequences that students face when they are repeatedly violating school rules in the sense of harming other students Mr Fernandez good evening Miss Jamal and and uh staff community members so uh our policy or or what we do with the uh discipline is our approach is to uh engage the parents and go through a process of uh of other means of Correction which can include a variety of measures such as um student counseling uh parent parent conferences uh lunch detention after school detention and so forth and that can include also up to uh other forms of suspension uh that in that can include uh 48900 A1 or even 48900 R which is off

for bullying but our first and primary responsibility is to communicate with the with the parents and seek other means of Correction and support the parents and the students in that particular process thank you Mr Fernandez could you share what the 4900 represents for those that is not aware oh thank you that question Mr Mo uh 48900 is the are are the Ed codes that delineate the various violations with respect to uh discipline as related to other means of Corrections including suspension and or possible expulsion so 48900 A1 which is uh attempt to cause or cause uh physical uh physical injury and then they are delineated in various Sub subcodes in included like 48900 B or C and then they can conclude with 48915 which are what are the SE more severe Ed codes so that

is how we uh Monitor and uh report out our discipline with students using those education codes thank you so much all right we are going to move to item F which is our lockdown protocol we received three questions and I'm going to partner with Miss Leica and possibly Mr uh Hernandez to answer this question the first was submitted by miss Patricia CA president when there is a lockdown at a school site or at the district what is the procedure and our time frame on notifying parents a USD staff and the public on how do you not and how do you notify them hi everyone um thank you for allowing me to be here uh this evening um I'm going to tag team this question with u Mr Hernandez um and then if yeah hopefully we

answer the question is en in its entirety if any of it doesn't make sense please feel free to just let me know um I think it's better to talk about our lockdown procedure in terms of um our overall um School site disruption procedure um so we have these wonderful yellow cards uh that are on our principal's desks that are on our secretary's desk um and what it is is a school s side disruption proc procedure that outlines um procedures for staff in the event of things like police activity uh fire or EMS coming on to campus um media presence lockdown um and any event that will that will disrupt the normal school day um so one side is the procedure to follow and then the other side is um the order of contact and so

if any of those events happen if there is a disruption to the school day if there is a lockdown um of any sort um the first person person on this list to call is me and if they don't get a hold of me the next person to call on the list is Mr Hernandez um with this procedure our staff that are making these calls are required to talk to a person and so this doesn't mean send a text message and get no response um and this doesn't mean you know call and then don't leave a voicemail um it means call and actually talk to somebody to provide this information um so with that there is um uh kind of a a next steps that come into play so once uh I am informed or once

Mr Hernandez is informed uh of a situation that is going down um at a school site we take the initiative to roll out um any additional support that might be needed and so if they need an additional administrator an additional administrator will go over there in the case of a lockdown this becomes a collaborative discussion about um if we need to notify parents and then if so what that message is going to say and so there are many different reasons why a lockdown could be called um everything from you know there's a coyote that's on the field and we don't want to let students out because we're afraid that you know the coyote might get aggressive to there you know is a stranger um that is outside of our campus and until we figure out

what that stranger is you know doing um we're going to keep everybody inside and then the extreme version of lockdowns would be U maybe there is a police activity in the area and the police put us on lockdown um so depending upon what those situations are it becomes a collaborative discussion uh between me Mr Hernandez the site principal and then also our cabinet because as soon as we get this information um this information also goes to our cabinet team and so collectively we decide um whether or not a message needs to go out and then uh I assist the um site principal uh or the site administrator with the content and sending out that message um the time frame really does depend on the type of situation um for example if it is a lockdown

that the police put us on uh a lot of times what happens is the police call us and they will tell us to put a School on lockdown but they may not have the ability at that moment to tell us why and so um we don't ask any questions at that point our priority is the safety of our students and the safety of our staff and so we immediately put that lockdown into play uh and then once the police department is available to give us information uh then we make send a message out about that there are also times when we may not be at Liberty um to give the reason especially if it is a police matter um we at times have to follow their instructions for what we can and cannot send out

um and when we can and cannot send something out um when it comes to uh the methods of how we notify them uh our primary U mode of communication right now is our parent Square platform which we we'll talk about a little bit later um but in short parent Square allows us to send um a text message a voice call and or an email um to our parents and Guardians and so it is using that platform that that message goes out and the primary mode of communication right now is text message um I will say that probably 90 95% of the time that message does go out in a text message and in an email um because what parents Square allows us to do is it just copies the information from um one section to

another between uh text message and email um Mr Hernandez did I miss anything or is there anything that you feel that needs to be added no I I I think uh you got it all thank you Miss moris thank you thank you and um um miss fores or Mr Fernandez the phone numbers that's on the card is that a cell phone or is that going directly to your District um desk great question it's it's our cell phone number so um cell phone because we primarily always have those with us and so even even if we're out at a school site even if we're somewhere else in the district office uh we always have our cell phones and so that's the best way to get a hold of us thank you so much we'll go to

the next question also submitted by miss Patricia um CCA president if the local police department has any activity near a school um safety stop that requires more than one police vehicle or bus and so on how is this communicated to the district and how is the school notified to go on lockdown or not and there's another part to the question AR Lea would you like me to read the whole or would you like to break it down um let me let's break it down let me start with this with this part um so to start with this first part of the question um this happens in a number of different ways so our primary um law enforcement partner is aapd but we do have schools that are in the coina PD jurisdiction um and then

as I'm sure that you are aware sometimes these jurisdictions overlap we also have an area that is County and so when it comes to isua PD we have a really great working relationship with them they have my cell phone number they have both of my cell phone numbers they have Mr Hernandez's cell phone number they have Mr orga's cell phone number and so if a school needs to go on lockdown they will either call the school directly or they will call one of us to have us put the school um on lockdown now on the police department side um I don't know if there is a procedure that they follow that dictates when they call us but just from past experience I can say that they call us with if it comes down to like

a felony stop um if it comes down to a warrant service that's in the area of one of our schools um or if it's any planned activity that they know um is going to be happening in the area of one of our schools uh it's a slightly trickier when it comes to the sheriff's department and when it comes to Kina PD um because those are smaller areas of overlap with a okay they might not have as much awareness as a zipd does of our school hours of when our kids are on campus and of where our school sites are at um so it is less often that they are calling us with a situation that's going on so if you see um you know maybe a sheriff's unit doing a vehicle stop um they might

not be giving us that information because they might not be aware that we have a school School in the area um we are working with them uh to have better lines of communication between the two um but aipd definitely also assists us with that because if we notice something going on we can call aipd and ask them you know is there anything that we need to be aware of and they will call the other law enforcement partner on our behalf thank you and the second part of the question is is it solely the responsibility of the school site to notify the district or should the police department notify the district and the district notifies a school in in terms of like police activity in an area yes yes yeah and so I would say again

that that happens in multiple ways if our school sites notice police activity in an area that they have not been notified of um they will call me or Mr Hernandez and we will reach out to the police department to find out what that activity is and uh if we need to be um if we need to be concerned or if there's any action that we need to take um but for the most part if something is going on um that we are not aware of it's because they have determined that there's no action needed on our our part um I will I want to give ausd their their Kudos because they are really good a really good partner um to us in this in this area um and then what was the other the last

part of that Tasha it was just um vice versa I think you answered it it was or should the police department notify the district yeah um yeah it would go both ways awesome the next one still on the same topic was submitted by Miss Marcia um when lockdown drills are performed at any particular school and use outside um do we use outside resource groups do they ever get involved in lockdown drills and the answer to that is yes um and we do that by way of training when we do our site training um specifically we partnered with isua PD when we do our active shooter training um we also um partner with other agencies when we do other drills such as our fire drills our earthquake drills all right so now we're going to move

to our cyber safety we have a presentation by Mr Sanchez and Miss Warz you guys have the floor Mr M really quick there was a couple of questions in the chat that I'm not sure you wanted to respond to prior to this or is this something that we hold off to after I will review those and I will um provide the response after you all's presentation wonderful okay thank you every everybody so this is also a joint uh presentation I'm going to go and share my screen with with Lea and ourselves uh and Mis um I'm going to make sure I get this done right to make sure sorry I'm not used to the zoom presentation part of it so forgive me for taking a second uh the the topic that we're going to be

discussing is related to cyber security um both for youed students and staff uh and and you know we'll start off with with what we use to try and keep everybody safe safe uh in the district office right and so one of the first things that we'll do is have our users sign in in AUA uh and and what is the AUA that stands for acceptable use agreement and it's really just some guidelines and regulations that we want to make you aware uh so that when you come into our Network you understand that there are things in place that we enforce or Implement for the purposes of keeping you safe um also for the purposes of making you aware that anything that you think that you do here at the district office is or at the

district using your asa.org account is something that we can you know essentially monitor uh and and and limit uh to some extent right and so why do we have you sign the AA well it it promotes Online safety online online safe Behavior right uh if a student or a staff member knows that if they are going to be doing something malicious on our Network or using our domain account or to do something uh you know it lets them know that hey you we're monitoring it so you might want to throttle it back and be potentially not use that uh to do so right um it also uh ensures compliance with with policies right so simple compliance is something that's big uh um the children's internet protection act is something that we need to enforce and

essentially the monies that we get come from uh the state and the government for the purposes of making sure that we give technology to our users but we also make it safe for them to get access to certain continents educational not necessarily stuff that they shouldn't be getting access to right um obviously the concern for us is to making sure that everybody has uh access to what they need and so while we are restricting students a little bit more than we would staff members we still restrict staff members for the purposes of just making sure that that you know access to sites uh that aren't are deemed uh U uh potentially unsafe are kind of kept from from getting access to into the district office right um it the other reason we use it is

for for positive learning environment obviously the purpose of the district is to educate uh and to give people resources uh to in educ um and so you want to make it positive you want to make sure that when students and our staff use our Network it's for the purposes of Education or for learning uh it also prevents the misuse of Technology um you know knowing that you're being monitored or knowing that the device that you're on can potentially be can can can potentially let us know what's happening or a war warn us of something potentially going happening bad in our environment uh makes it easier for us to be able to to you know encourage users to just use their device in the right way uh digital literacy is another reason why we have the

AA signed obviously we want to enforce and make sure that people understand what you should shouldn't do on the internet right um oftentimes uh you know what you typically do behind your computer or behind your screen uh is something that uh you know gives you that that flexibility or that freedom to say I can say or do whatever I want um but you shouldn't right just because you're not talking to somebody face to face it does not mean that you should take advantage uh of of the the way your of the media or the medium and and and be abusive or be uh you know say something maybe you shouldn't be doing right uh and lastly it establishes the accountability right our our AA makes us makes you sign something letting uh you know that

we are monitoring your actions potentially we are uh trying to limit access to certain bad things but more importantly makes you aware the saying you are in agreement with with what we're providing you and you are also in agreement that you're going to follow the terms of the district to make sure that you you use it the right way uh moving on to data and network safety um there are a lot of things that we do at the district to try to try and prevent malicious people or malicious actions from happening more so since we've started uh with the new network infrastructure coming on board there's a lot of new systems in place that we're trying to use and Implement uh to make things uh make it safer for you and one of the things

that we do is is use cloud what we call a cloud monitor uh essentially what that means is that um in the past you know what we have here inside our network uh is pretty simple for us to monitor but because you have the aso.org email account or account that you can use to use to connect to multiple different services that are out in the internet uh we don't have visibility to that uh and so what we had to implement was something called a cloud monitor system which essentially allows us to uh track what you're not what you're doing in the applications but you're accessing applications and so say for example Tik Tok uh is is that is is a you know is is an app that's on the new heavily today right um we

don't allow students to use our their asa.org account to get to create a t Tik Tok accounts uh we don't allow our our students to uh use their account uh to to join apps that we may deem as malicious or have been detected to be malicious right same thing applies to staff um while you might be able to use your account to get into Tik Tok if you're going to uh fly to let's say um Russia for a vacation and you logged in from there the system would track would would detect it and stop and say hey this is an outside person more than likely a malicious attempt to gain access into your network or into your environment and therefore we're going to stop it right and so those are the kinds of things that

we do because if students are logging in they're typically logging inside within the US uh sometimes Central or um Central or South America and so we have a finite number of where people can log in from for the purposes of security U moving on to the content filter um you content filter is something that is done at the very base of our of our firewall and so what it does is that you'll notice you'll try and go somewhere and you'll get a block page right uh that's at the very at the very root of our firewall what what prevents you from getting things that we associate is typically non-educational gambling drugs sex certain things like that right uh but we also Implement content filtering on the on the devices uh especially for students not so

much for staff but more for students and what those do isfor enfor policy either based on certain categories again like I had mentioned um certain URLs if you're trying to go somewhere that you're not supposed to especially if it's like a a um you're clicking on a link on an email and that's going to a website that we know is bad or is known to be providing a fishing attack or or providing some kind of malicious uh application uh it'll stop it based on that URL and certain keywords um we get notified if a student or a staff member is using words that aren't necessarily appropriate or deemed uh uh words that should be used based on that AA and so that it makes us aware of of those uh of those notices uh and

what we also have uh is bull wall bull wall is something that we have locally in our shares because I was talking right now about Cloud environment and internet but we also have shares that are actually internal in our in our district I'm sure that you have heard of school districts that lose all their data a lot of time that data is not necessarily in the cloud it's usually stored locally in shares for for like for example um you know uh our nutrition services some some information or HR Services a lot of our applications have shares those are internally stored in the district because we don't share them out into the world into the internet and so we have an application called bull wall that monitors those shares and detects uh certain things that may

happen so if a common share that is used by HR uh suddenly starts being encrypted or delete it in mass that system will prevent the user who's trying to do that from doing it and notify to make us aware so that we can then recover from a copy and essentially try and mitigate the issue um these steps aren't necessarily intended to stop everything but this is some of the few steps that we use to try to make it um somewhat better for you uh and for staff and and you know make make the environment safe for our users I think I'm going to pass it on over to Lea now so yes so next we'll talk about um bark um what bark is and I want to uh stay up FR that bark is something

that we use to monitor students and not staff so just to clarify that um but what bark does is since our students have access to um Google Drive Google Docs Google Chat and Gmail um bark acts as kind of a system to monitor our students activity on that and what it's looking for is specific um words or phrases and these are things that maybe have to do with violence things that might have to do with um self harm um those types of things our flagged and that becomes an alert and those Alerts get sent to um a couple of us uh but I am the one who actively monitors bark and so what happens is when we get alert um that's flagged for one reason or another um it opens up on my screen and

I'm able to see either the email or the content of the chat or whatever it was that caused the flag within bark um if there is a reason for concern that then goes from me um to the school site admin Administration and the School site Administration deals with um that situation according to whatever um discipline you know policy um they need to they need to follow on their end um there is Barka has come in um very useful for a number of reasons it helps us identify uh threats or potential threats before they actually become an issue and so a lot of times we get word of maybe a potential fight or an argument that might turn into a fight but we also get alerts about things that have to do with social and emotional

wellness and so a lot of times uh our students may feel more comfortable chatting a friend um when they're having maybe some sort of an emotional crisis and they need assistance and those types of things are flagged and again those come to me um and there are times when those come after hours uh the great thing about bark is that especially after hours um it is monitored by a live person on the bark end or by life people on the bark end uh and if they see something that amounts to um a threat of self harm what they do is they make they start making phone calls and the first person on that list is me and so when they call me and they relay this information to me that we have a student um

that bark flagged who may need um immediate assistance because they're having some sort of social emotional distress uh I am then able to contact either the parents or law enforcement or whatever resource um needed to get that student help um immediately um I would say that bark since we have started using it has um you know paid out in ID in terms of what we have been able to mitigate um you know whether it be a conflict between students or whether that be something um as large as maybe a student that's having some sort of social emotional uh distress and again just to reiterate um we only use bark for students we do not use B to monitor the staff um Google Universe um so the next thing that I want to talk about um

is about our district Communications uh platforms this is obviously one of my favorite topics to talk about as the Director of communications here here uh at the district um but I would say our communication platforms kind of permeate multi levels of the district because they are used at the district level and then also at the site level by our principles um we have many many ways that we communicate and what I always tell parents um is that my recommendation is that you follow us on at least two platforms and so maybe that's parent square and social media maybe that's a website in parent Square um Everybody interacts with um media and social media different ly and so with the number of platforms that we use there's something that hopefully um works for the way uh

everybody communicates so each school and the district have our own websites um specifically in uh regards to emergency communication if there is a large scale emergency at a school or a district level um a banner and or a popup will appear on the district and or School site web pages um that Banner will be either yellow or red in color um it will have the details that we are able to provide about that emergency um next is social media The District in every school have Facebook and Instagram accounts and the district also has a Twitter a LinkedIn and a YouTube account um again if we're talking about um emergency communications uh in event of a large scale emergency we will use our social media channels to communicate out instructions to our parents and Guardians about

a large scale uh emergency uh but the beauty of our social media is that we use social media um as a whole every single day um we love posting pictures of our success stories we love posting photos of student projects and events that are going on um social media and our websites are just a way for us to get the word out about all of the awesome things that are going on within the district and then our websites also house um the day-to-day information uh that our community might need about our schools in the district things like um Bell schedules things like school calendars um those are all available on our our website um parent Square um really is kind of a multi-use platform and an all-around hitter um with our parents Square platform as

I mentioned earlier we are able to send um emails phone calls and text messages uh to our community um and then we are uh also able to upload calendars photos um uh parents and Guardians can sign up to volunteer for things they can sign up to donate things and there's also a mobile app that all of this can be done on um one of the important things to know about parent Square when it comes to emergencies is that parent square has a specific feature for sending emergency messages and when an emergency message uh is sent in parent Square it will automatically come um in multiple ways so if you are a parent or guardian and you have U an email address if you have a uh text message a phone number and then you have

um maybe a a a landline uh entered in into parent Square you will receive that emergency alert on all of uh the modes of communication that we have for you and that's just a safety net because we figure if uh you know a parent or Guardian has three methods of communication and we send that emergency message to all three they are assured to hopefully get at least one of those messages um and this is this is true across the board for district and school sites um the emergency message functions the same way uh for district and School site so if a School site were to send uh an emergency message it would also go out through every single mode of communication that we have for that particular parent or Guardian um this is different than

a normal message going out um on parent Square when a normal message goes out on parent Square it goes out through the communication method of the parent choice so if you prefer email rather than text message you will get that message in uh an email if you prefer text you will get it in a in a text um I really am enjoying parents where this is our first year using it but um I think in terms of e of use it's really done a lot to kind of streamline our Communications at the district level and at the site level um we do get a lot of questions about emergency communication so this is a big one for us um every single month um we post on our social media and it gets sent out uh

on parent Square something that's called how we communicate it might look familiar I don't know how well you can see my screen um but this document is also available on our uh website we send this out every month for a number of reasons um one we want our community to be well aware of the numerous methods that we have for communicating um we want them to be aware of where they can go for resources um but also um we are always thinking ahead to um you know the what if what if there is a large scale emergency we want our parents and our Guardians to be prepared and to know um how we will be reacting and then what they should expect from us in the case of an emergency and so when I'm talking

about emergency in this sense I mean something that's like a large scale emergency uh maybe there's a guest leak at one of our schools and we need to evacuate that school and so those students are going to be relocated to another school that's the kind of high level of emergency I'm talking about in this case um and in a case like this we would use that emergency communication feature in parent square and a parent or garden will get that message in multiple ways um if they have multiple communication methods on file for us um something to keep in mind and that I like to share with parents and Guardians um is that in the event of an emergency we may be at the mercy of police fire or EMS U for how we can or

cannot react in that situation and so it may be up to the police department how we go about releasing our students um it may be up to the fire department and or the police department what information we can release and win and so our goal is always to get information out in a timely manner and to get information out that is relevant and useful to the parent um obviously we want to answer as many questions as we can um but I do want to state that there are many cases where in an emergency um we would be at the mercy of somewhere else even though it is our campuses and our students um what should parents do after an emergency and this one uh ends up being a big one because if we do have

to let's say evacuate one school um and you know maybe they're at Memorial Park and parents are instructed to pick up students from Memorial Park it's important to note that um we will only release students to the emergency contact that we have on file and so it's important that parents are and Guardians are prepared with a photo ID um in a situation like this if they're picking up a student because we will compare that photo ID uh to the information that we have um on file for emergency contact um and so a good way to be prepared uh for something as large scale as this again is just to know who you have as emergency contacts maybe you need to add you know a grandma or a grandpa or a best friend so that there's

multiple people who are able to pick up the student if there is an emergency um make sure that you always have your ID if you do add other people to the emergency contact list for your student make sure that they are will be also prepared to um produce an ID to pick up a student and this is really just for safety at the end of the day we would be responsible for who we release that child to and so we're going to follow our and balances uh to make sure um that we do everything that we can to compare those IDs to the information that we have um on file and then just something else that I always like to note when it comes to emergency communication or just communication in general um make sure

that you are following um school and District sites for information uh we know that when emergencies happen you know there's an um rumors can tend to fly um misinformation might get Mis might get communicated and so the best best way to ensure that you are receiving the most upto-date information is to follow the school's um communication methods to follow the district communication methods and again in a large scale emergency we would likely be um partnering with our local law enforcement and aipd is very active on social media so even following their um their social media will give our community a good sense of what's going on in the event of a large scale emergency um I think that's it in terms of emergency communication and our communication Platforms in general um if you guys have

any questions for Manuel or myself please feel free to reach out to us connect ausa.org um we're happy to answer any questions that you may have thank you Lea and Manuel um so that is the item that we have on our agenda we can open this up for questions for questions pertaining to our topics that were shared um we still have those that presented and answer questions here with us um so we just please raise your hand or you can put a question in the chat and we will respond there as well all right I see Meg and then we'll go with miss Patricia it was my understanding that every site was to have a Safety Committee at a certain point I don't know if that ended because of covid and the changes but I

want to know why we don't insist on having one um I know you explained in the the chat that um there may be an emergency response team or safety response team but there should be a committee that develops the plan and get input from the stakeholders into those plans I'm wondering why we don't insist on having that at every site so that's currently our protocol now we did have a safety um team and I'm not it wasn't called a safety team but we all had covid um teams um during the um Co era um but um each site again has their um safety plans that they have to receive stakeholder input on at their School site Council those meetings are held five times a year um and then they work in collaboration with the risk

management team in child safety and Ware there's a template we have to abide by and then we take it to the board of education to approve I I understand that but the School site Council does all of the other pieces and most times those plans are brought to them for approval not developed within the group and it's also not necessarily advertised that that's what they're going to be working on to invite parents in for the Safety Committee and safety plan for the site so I'm going to suggest that we we change it up here with this because I think that this is important to get parent employee um student input um into what these plans look like and not just have the principal write it because they're in a rush it's important because parents see

things through a different lens than teachers do and students similarly and so I think that you know we're not getting all stakeholder input if we're doing it at school site Council or not all right thank you miss Patricia good evening everyone um I uh thank you for your presentations tonight I really appreciate it so a couple of questions um uh Lea timeline I know you said that you're you know it's it's pretty much establishing the situation all different uh stakeholders are are placed in it to make sure that sorry that's my dog thank you uh that they all have the information and that they're you know everybody's good on uh being up to date but the timeline to the to the community to the families it doesn't have to necessarily provide them with details but

something is there something the district has uh in place or something they can put in place that can say um just a flash of you know School site is lock down uh as is a unified district uh will it you know dot dot dot dot just something that just says we are aware of it and we are working on it and we will keep you updated on it is there something quick on that that's one of my questions we do we do have template messaging in place um but again there it could it can go either way sometimes um we've heard uh you know both feedback from parents where if we send something that says oh you know such and such school is on a lockdown but we don't send information um then that you

know kind of causes a little bit of panic in some of our parents and Guardians and that may result in them going to the school site because they think you know something major is going on and so these are the kinds of questions that we evaluate when it comes to these types of situations but we do have um template messages that are available um if we need to grab something quickly to send out okay thank you only because um working at a site even if I am our site is not part of the lockdown they reach out to everywhere they re they will call any school they will try and reach out for information we don't know what's happening at School sites we do our best to I'll say it make something feasible to help

support that parent but we have no language we have no protocol in a receiving school that is not being affected by the lockdown um they'll say they've called the District they've talked to departments and that some departments have no idea what's going on is there someone at the district like say Lea uh you need to be removed from the district because you have to be on on site U Mr Hernandez needs to be on site Mr Orga so on is their protocol at the district office of staff that is remaining there that they know what to do so if we have to refer them there or like you know what I mean like something where it's Homebase uh procedure to help support you and help to support the school and the community yes there's sorry

L can want to start I was going to go I was going to say yes and so um I can give a particular example when we had a situation when we had to deploy to a school site um the first point in contact we had Miss um hope as well as our risk manager Miss Melissa they were um assigned to the front desk to um take calls as well as to assist if any parents came here with concerns thank you this last one I understand there wasn't because I got a lot of feedback from uh community and staff saying that there wasn't any of there wasn't as much as what you're telling me on this last uh large event that had occurred so that's the only thing is that can it be suggested that we

love the cards everybody has their card like literally I'm like you need to have your card I make sure everybody but but um what do we do to help support the community at just to add to what Latasha sorry just to add to what Latasha was saying um there is always a secretary or receptionist at the front desk who is answering the phon so we can definitely give her some language to use um you know maybe if Miss hope or Miss Melissa are are on the line with another parent or Guardian um that front desk person we can give some language so that they have you know some some information to give um but I will also say in the event of lockdowns in particular um there are a lot of times when the police

department is not at Liberty to tell us what is going on and so sometimes the best response can be if it is in relation to police activity um recommend that parent call the isua police department for that information um even when they are you know calling us to tell us for a lockdown as I mentioned um a lot of times they are not able um or they can't at that moment give us the information as to why that school is on lockdown or you know why that um why there's all of a sudden you know 10 police cars uh down the street from a school uh and so when in doubt if it's in relation to police activity um one suggestion would be advis that parent are Guardian to call the zoza police department because

at that moment they would have more information than we would awesome will we be getting that language out there to make sure all School sites are aware because that would help us a lot uh yeah I want I want to talk to my boss my boss got it first yeah I can add it I can add it to our agenda for our next meeting there you go our boss okay all right I'm gonna go on this order we have Miss Meg Mr noy uh Miss Sandra and Mr Trussell oh I don't oh Meg took your hand down so let's go Mr Noy oh sorry I thought I was myself it's what Patricia just talked about and that is um are there any plans to train staff um all staff on these procedures of how we

should be communicating when things like this happen and I say that because in the last um incident that they had at Gladstone height um Gladstone Middle School sorry everybody um the kids were using their cell phones and the kids were calling the parents and the kids were calling other teachers and then those parents are calling other teachers they know and classified and and and and so them I I don't know what the answer is because I know they're allowed to have cell phones in class but I think that that's a huge component to what some of the problems with the communication are and we don't know as teachers how we're supposed to handle that in these kinds of situations because we've never been taught yeah so I can't speak to like use of te technology

in the classroom or you know students being allowed to have cell phones but what I can say is I do agree with you that you know a student hears something and then they send a text message to their friend and by the time it gets to the 10th person it's you know blown up 10 times and it's hard for people to tell uh which way is up um but this is where I do stress um you know what is the email that's coming from the principal what is the email or the information that's coming from um the district what are the instructions that are being given by the by the school site administration every time I speak out a coffee with the principal um I repeat more than once it's always my goal to say

it at least three times uh to encourage people to rely on our official channels of communication um because that's where the reliable information is going to come from um and that's where you know the the instructions that are if there are next steps going to come from and so we want to make sure that people know um what our uh main needs of communication are and where they can find this information in an event of uh emergency lockdown whatever the case may be um so thank you for that I appreciate it um so can I plant a seed that we get some training for our people about how to deal with communication as well related to this because absolutely haven't gotten direction that way and I think it it's best to be standard across the

district yeah for sure thank you awesome all right Mr Noy okay um hopefully this never happens but uh in case uh administrators are not available or Happ to be uh happen to be say like one administrator on campus and we have a situation that happens right in front of the school or right across the street where uh it unfor you know God forbid it it ever happened but uh there's a shootout um who is uh um who can call the who can call the lockdown right away because sometimes it just you know things happen a spare the moment um so in that situation the first thing to do is we call 911 and then we follow our protocol that as soon as we call 911 we call Miss Leica or we call Mr uh um

Fernandez and then the guidance is given out but a School site on their own can't call a lockdown okay thank you you're welcome Miss Sandra hello good evening um so I know when I was working at the school site we I remember having the school safety plan uh we would practice multiple um drills um since I've been here at the district uh I have not seen a school P we have had a practice um and that's when I realized that I've never heard what our safety plan at the district office is who's in charge of what um where we need to go I basically was just following people you know that one so yeah I mean we're like you said the safety plan is posted at our office and in the at the school sites

but what about here yes and so what we um I can take that one what we could do is we need to do a better job of communicating what we're supposed to to do an emergency at the district office um we take for granted that everyone's been here forever and we all know where to go but then we have like you for example that's new to the district so what do you do and you don't want to have to rely on so we will take that on and make sure we provide the communication um even if that's um annually at the start of school year or also put something in a new hire packet for all district office staff that's a great suggestion thank you you're welcome Mr Russell did you no question now sir

yes uh I have a I have a couple questions for you all um both having to deal with the um the crossing between the East Campus and the west campus that is is high school um when it rains does is the district developing a plan uh to get the uh students across the street safely because there have been a few incidents uh this school year when it rains that water comes down so fast I think it's down Rockville that the students aren't able to cross over to the west campus or to the east campus and what that's doing is that it's um it's inter ing you know the way that we have our classes you know in terms of you know uh our instruction and planning of our classes because we had one time where

we were basically having to hold a Class A whole period you know because it rained we couldn't get our students across the street the other question is is the district developing a plan with the city either to put a stop sign in where that where we have to cross to get across from west to east or putting a signal in on that street to get across the street because when I watch Cars go down that street they're not going this a lot of cars don't go don't go down the street to speed liing a lot of cars are speeding down that street and not looking okay I will answer a question but I want to remind us all of our protocol that we only discuss the topics that are on our agenda and we're supposed

to submit our questions prior but one Mr tro we have a stop sign as soon City put it up for us already so we are ecstatic about that so that yes sir so that is in place um when we have rainy days we put out what is called bumpers which allows um it can't it does not stop the flow of running water when we have heavy rains but it does a little uh give um a relief to our students and staff when they're walking across they are able to walk over the puddle on the bumper versus having to walk through the rain okay my thing was that I a couple of times the bumpers haven't worked because the water so High and the students couldn't get across so got it thank you so much any

other questions miss Patricia I was like yes I do um another uh I was looking at my little list of of things to ask with on the active shooter training we did have one and that was a while back do you have a scheduled date of when we will and will it be mandatory or will it be optional as it was last time I am not certain if our protocol is changing versus makeing mandatory or optional um but I will partner um with Miss Norma kamacho to um see what the schedule is and make sure we publicize that okay awesome thank you you're welcome anyone else all right all right so guys our next meeting is May 8th the last date of submit um questions for that meeting is April 19th we did have two

additional questions that we weren't able to have on this agenda which will automatically be on that agenda and those two topics will be um water testing as well as emergency preparedness bins so those topics will already be on the agenda but if there's other things that um we would like to discuss or any um questions that you may have please add them to the agenda I mean add them to the question sheet onor before April 19th and with that we will see you guys on May 8th I want to thank you so much this is our first year having this committee I feel I hope you feel as much as I am excited and beneficial that this has been um it's providing us more insight I love having thought Partners to help us understand things

that we're not seeing so we truly truly appre appreciate you all and we look forward to this growing next year thank you guys
