All right, welcome to the facility and finance subcommittee meeting January 20th uh 400 pm. Um can I get a roll call please? >> Eric Alexia >> and William Mayor Masone is not able to be here tonight. Um so call order. Let's start with public comments. Do we have any public comments? >> I believe we have one right now. >> Hello. >> Hey there. How are you? >> Good. >> Welcome. Welcome back. Thanks for joining us. >> Yeah. Thanks for having me. Sorry, I had just stepped away from my computer for a second. I didn't realize it was my volume was so low. I didn't hear what you said. >> Oh, yeah. No, no, no worries. We said thank you for joining and uh >> welcome >> and welcome. >> She wants to chat >> and
I'm sorry I mean to hijack um we heard that you wanted to share a video with us. >> Well, I wanted to ask you before I shared them. I've got a few videos. Um, we have a drone and so I thought it might be helpful if we did some drone footage. Um, um, sorry. Uh, we did some drone footage of the road just during a pickup >> and I wasn't sure if it would be easier to um, send them to you guys so you could see it or, you know, closer or how it works where you are or if you wanted me to just share it with you. Um, just so you can kind of get an idea of how it's going over here and and kind of what's going on. Um, I think that,
you know, the it seemed to be kind of working it out. Some days are better than others. Today was a really good day, actually. Um, but the, you know, our one of our neighbors here next door, uh, Greg Landis, he was out the other day and had mentioned it that that the cars are backing up onto the dirt road and, you know, doing the U-turns and whatever. And it is a private road. So, um, you know, he actually had mentioned it. Nobody else has really said anything thus far since you guys have fixed stuff. So, um, we just kind of wanted to see where you guys were at with that and, you know, kind of share some stuff with you. So, I don't know. Is it better for me to email the videos or do
you want me to send them share them? How do you want me to do that? >> Well, um, definitely if you could email me. >> Okay. >> You have my email address, Miss Trestle. >> Yeah. to me and I'll be happy to share with um our interim principal, Mr. Luick, and have that discussion and view it together. >> Great. Cool. Okay, I'll send them to you. >> Thank you. Okay, >> no problem. >> You mean if you want me to do you have if you have one we have a big screen here, so if you have >> Oh, you do? Okay. Um >> you'd like to show us, we'd love to see it. >> You do have the permissions to share your screen if you want to. >> Thank you. Okay. So, let's do share.
>> Um, sorry, I'm still kind of new to all the sharing screens. So, uh, let's do share and then I think I just hit current only. Is that correct to share the screen? >> Yes. >> Okay, >> there you go. Now we see your screen. >> Awesome. All right. So, um I'll kind of go through them quick. Here's one. It's just kind of um as you can see, just kind of regular traffic flow. Um >> we're we're not seeing your video right now. We're seeing all the download folder. >> Oh, I'm sorry. You're seeing what? Oh, hold on. Let me switch it. Let me switch it. >> Sorry. Like I said, kind of still new to it. Uh, how do I get out of there? Close this one. Let's go back over here. Oh, my
menu's gone. All right, guys. Sorry. I'm not very good at this. If you want to just email them, that's fine, too. >> Yeah, let me I'll shoot it over to you in an email and I think that'll probably be easier. You can check it out. It's just basic traffic flow. Um, one you can see, you know, where they're kind of backing up onto the road. The other ones, uh, you could see they're still kind of pulling out on onto Solodad and kind of parking there. Um, and then the other there's one that I thought was really interesting with the buses. So, I'll make sure to send that to you, too. Basically, the buses can't they can't move. So, um you know, they're getting stuck right there in the intersection on on Wisconsin and uh Sacramento.
So, I'll shoot those over to you guys. I'll send it right now and then that way if you want to share it, you can. Um yeah, sorry. >> Appreciate appreciate your technology. That's great. >> You know, I'm still trying to learn the Zoom stuff, so I appreciate your patience. I meant the drone. So that that pretty cool. >> Yeah, that we we have them for work here. So um that we that we can we are we have the technology and know how to use it. >> Yeah. For the buses I'll share with to my right, Mr. Moa, director of transportation. So we'll review that and then and the other videos I'll share with Mr. Lewick. >> All right. Great. Cool. Thank you. I appreciate it. Because you know, we're all just kind of wondering. I
know um my mom actually attended town council meeting >> the last one they had to ask them you know um kind of what's you know any any way that there's you know help or what's the next step in getting help for the situation you know as far as the private road um or you know assisting in creating some kind of flow. So, um, you know, if there's county offices that need to be called or however that works and you know what what the steps are. So, but she did wanted to bring it to their attention just so you guys are aware. She went, she wrote a letter. She's doing the whole thing. So, yeah. >> Appreciate that. We appreciate definitely. >> All right. Well, I'll shoot you the emails and I'll just listen. Thank you.
Thank you. All right. Um, >> any more public comments? >> No, not at the moment. >> Okay. Uh, the new housing development update. >> Thank you, Mr. Reise. Uh, very briefly, we had uh, uh, Thelman um, and Associates present to us a while, a couple couple meetings regarding the new housing development, contact with the developer. Uh there's a lot of back and forth. They were Felman. Um Miss Rachel was in contact with public works. They indicated that um they did not know anything about the project nor the previous group RTG, which is interesting >> to say the least. Um one staff from public works noted that the developer of course has changed hands uh multiple times on the project. Um, also from another representative that they actually spoke to at public works. Um, the good
news is the filming rep with that other public works representative indicated that they got a name and email address um of the developer representative. They go by the name of Art Stanyan. Um, so Filman who is supporting us and representing us um is reaching out to Mr. upon you for additional updates on the project. Um, >> that's the phone number. >> And we have another if if you could send me this picture, board that to me, Mr. Maze, and I'll share with uh Miss Rachel from Filman. So, the more that we have as far as contact information, the better. >> That's all we have now. It's just really, you know, trying to narrow it down. Um, you know, I guess depends on who you speak to at public works. with all the respect and so
on. We got one representative >> that bigger project they have to have. >> They should be a lot. >> So, you know, we'll keep we'll keep this agenda item, new housing developer update as staple on the agenda until we start to kind of get answers and narrow it down. >> I mean, there is things on Facebook lately that said they're shutting it down. They haven't shut it down. So, I don't think they have people are saying they're working on the back side because the front side there's no CO anymore. >> Interesting. So reflecting conflicting reports. >> Nobody knows. >> This is supposedly the contact information for the project. So >> okay, >> thank you. Yeah, we'll we'll reach out to I think contact information. >> That's that's it for now, but we'll keep this as
an agenda item moving forward so we get more updates and we'll share that out with um move on to the bus leasing options. So, just to kind of preface it real quick, I know this was an agenda item previously. Um, he went over um some options in terms of purchasing uh versus leasing. Uh Mr. Mora has actually looked into a little bit more, received additional quotes, a little bit more detailed. Um, and then we do have an overview on the screen for anybody watching as well as when these videos are uploaded as part of a reference for our community members. Um, so what Mr. Moira passed out is a memo of purpose, background, um, lease versus purchase, and then staff recommendations. And all the information he'll share now is really a summary of what you
see on the screen itself. as far as far as Mr. Martin. >> Okay. So, right here we have basically um an option of leasing four buses for 76 passengers. Individual cost would be around 53,38. Annual cost would be 212,954. um versus a used bus. They start off around 142,900 and they go up to 240,000. And the maintenance wise, we would save a lot of money because if we go into lease, it's around 20,000 to 28,000. If we get a used bus, it's going to be 55 to 74,000 plus. It all depends on the condition of the bus that we get if it's even good enough. The warranty perfect when it's brand new, >> 30,000 bumper-to-bumper including engine and transmission versus a used bus limited or nothing at all. Um, basically it would be better off
getting a lease versus a used bus. The district would save money in the long term maintenance cost. We would have to be towing it to the yard. a big difference. >> So the the annual cost of 212 is that for the four buses or is that >> that's for the four buses. So >> those 212 or the 240s or 140 to 240s per bus, right? So then you're at >> about >> that's basically the range of the buses that we sign. They start off around 142 to 900 and they go up 240,000. It all depends which ones we pick. That's just a rough idea of how much they start from the low to the high, >> right? That'll be per bus. >> What's our What are our buses drive annual? This 15,000. Is it stay
>> basically? It's around there. 15 to 20,000. That's how much we uh drive them. >> What's the lease overage if we go over 15,000? >> Um that we would have to basically ask them to see how much it would be. It's not on here, right? I'm sure they have a cost. >> Oh, yeah. Yeah. Vermont increase miles increased cost. I get back to you with that information. >> But with all the Mr. Moore, with all the field trips, just the routes, typical routes, um, our buses are averaging 15. >> Yeah, 15 to 20,000. >> So, >> yeah, 15 or 20. >> But if you have four brand new buses, you can alternate them going on longer trips to shut down. Yeah, we would definitely save much more invest >> we would not be outsourcing we
would be using inhouse trust. >> Yep. So basically uh recommendation of the district would be leasing versus purchasing. >> We would save a lot of money going that route. You guys want to >> Yeah. If we can find out the the overage on that and bring it back to the next meeting so we can we can have Mr. M. Not a problem. And just and just another bit of information. Um I know this information was shared earlier at another facilities and finance of community meeting. Uh the average cost annually to the district for outsourcing to charter buses annually is about 70,000. driving. >> So that you know fewer buses, more reliable buses fee at least that could help offset. >> So yeah, that would take out of this 200. So yeah, it's definitely a better
option. Like you said, it's >> around somewhere in cost >> minus the when you take out the maintenance cost when you're dropping that down. Oh yeah, you would just be doing the maintenance on it. just regular oil changes. >> But any major any major issue and this is sorry how many year le so you have three year bumper bumper five year engine 100,000 miles. So they're pretty much stay in that warranty range for the life. >> Yes. Expect >> now lease and we can make a decision if we want to keep leasing or purchase the process. >> Right. So they can purchase. >> Another question Mr. more for I believe we still have the second um posting for a mechanic. >> Yes. >> Right. Still on there um for recruitment. So, you know, with additional,
let's say, new new buses, you know, that that position in of itself because we already have a part-time >> the need for a second one might >> we wouldn't need a second for >> would have less breaking buses breaking down or regular mechanic would be able to do the daily maintenance on it. No breaking down. It's kind of far basis. Definitely. >> Yep. >> So, for um um Vice President Maize, we'll we'll go ahead and um bring this back to the February board meeting with with some of these facts and then just kind of get a discussion going. >> I know that's a question that's going to be as >> Oh, for sure. Thank you. >> All right. Um, next we have facilities projects updates. >> These are always exciting. Right. >> I know. >>
Oh, there it is. Okay. >> Y >> Vasquez High School, we completed the shade structures over the break. Uh we completed the for the little owls the kindergarten kitchen. It's 100% ready to go. New paint, new roof, new floor. The same thing with the little owl's uh multi-purpose roof. It's all it got completed during the winter break as well. Uh High Desert School, the roof is still pending. basically uh they couldn't the rain but we have to push it for another >> not hard rain the whole >> Oh yeah yeah we had a schedule we got due to the rain >> right >> forunately it was not able to be done >> how many leaks do we have during that a lot >> during what >> during the raintorms and those roofs that are being
replaced >> uh not a lot >> wasn't too bad >> no there's only one roof that's on here as well that's not even part of that work schedule. Basically, uh the girls locker room, we had a major leak in there. >> We did a temporary repair, but it's going to cost $19,000 to do that whole roof. >> So, that needs to be board approved. >> That's part of the future project. >> Say that again. >> No, this is this is this was supposed to be a repair, >> but now he's going to have to do a repair. We're still have to get other quotes. >> Okay. >> Yes, we'll get another quote for it. We may have to pay the vendor that did the repair, whatever he did, >> and get another company to perform
the repairs. Okay. >> And also for little owls, we need to upgrade the phone systems for emergency purposes. So, we were able to communicate with the staff, >> right? >> So, that's going to be on there for future agenda as well. >> Yes. Perhaps for the February um subcommittee. And if you go to the first picture, you can see the uh shade structures going in the middle of the plot. You go to the second page, you'll see the shade structures right next to the multi-urface roof. >> We have any feedback from students or staff? >> You know, I I I I spoke to Dr. Smith um for for another meeting and uh she said they they really like it and she was just afraid that you know kids don't jump up and try to grab
onto the shade structure itself. Um but uh she said, you know, the kids were really nicely surprised and really excited. That's what counts. >> And so just in time, too. You know, with inclement weather and >> and with spring around the corner, when it gets warm, perfect. >> When you go to the next picture, you'll see the little owl's kitchen. >> A lot different than before. >> No way. >> No, it's in good page. You'll see the multi-purpose rod completely done for you. >> Y a lot of work in a short amount of time. >> Thank you. >> And of course, you'll see the building one and building two bending work. When you go to the next page, you'll see the actual roof of the girls locker room as well. We have phones. >> Thank
you. Any questions? Any comments? >> So, we have what do we have for phone system now over there in the building or just >> right now? Some of the classrooms have phones and other classrooms are utilizing walkieces for emergency purposes. Yeah, we need to make it very consistent uh for for the safety of staff, safety of students. Yes, they're utilizing their walkie-talkies um but at the same time we need to get um landlines in there >> um for each of the classrooms. So, you know, both it myself and Mr. Mo, we've been meeting with um together collectively to go over some quotes and different options. And that's something that we want to bring to the February meeting to review with both you and Mr. That's kind um these are fiber. They're regular. >> Those are
the ones for regular, >> right? So, this supposed to be regular copper lines. >> Copper lines. >> Yeah, >> cuz everything's going away from copper and industry going to sell based or whatever. Just don't know if there's anything that might go with that because like even fire alarm systems elevators are all going away from copper because they said they were going to discontinue copper at some point. So I don't know if it's there's any other options a little bit more that we had uh um >> we were uh we were exploring different options. One of them it was the copper. Um the second option was a hosted service which is a cloud service >> and after that we have the one with the fiber that it was a little bit more expensive but we're still
looking into it you know to see what we can integrate you know with the system but we have >> always the problem too. Thank you. You're welcome. >> So, we'll bring all those options forward just for discussion sake. >> Um, any else with that? >> That's it. >> All right. What do we have for future agenda? Do we have anything? >> So, I wrote a few things down, Mr. May. Um so you know we've had this discussion briefly but not agendaized updating um updated IU campus lease terms that's coming um sooner than later by the end of this fiscal calendar. So we could go ahead and have that as an as an update and discussion. Um what we brought up here of course is the housing update if we have anything in terms of the
new housing development. The other item would be the phone systems that we just briefly covered and then the ongoing agenda item of facility project updates. >> So, so far I have four agenda items for February. >> Right. >> Unless there's unless there's any other has there any have we had any other major issues anywhere? Everything's been pretty I haven't heard anything so that's good. It's been pretty quiet. >> Well, we've been lucky. We haven't had >> major girls softball field if we can check the grass area there a lot of homes and stuff. >> We did uh we did a lot of work on that field last week as well. But yeah, we're basically daily work we're doing on it like maintenance guys and I'll definitely go check up on that as well. there. I
guess basically doing that type of thing. So, I don't know if that's still there. That was last week, but I think it was last Thursday or Friday. >> Well, that's the softball >> that softball field. >> Softball field. >> Yeah. >> Okay. Now, we'll make sure we uh do the weed and feed before their season start. Well, basically, right now it's winter. >> Yeah. Right now is during the winter it's a little bit hard to get grass growing. That's the reason but just >> No, we'll definitely get we'll take care of >> Yeah. softball field. >> Softball field. >> Yeah. No worries. I'll definitely stop and check it and we'll take care of the >> um Yeah. No, no. So far, you know, our our sites, you know, be it work orders or the principles
coming forward just to share some concerns, that communication is ongoing and very quickly a great deal. >> But yeah, besides that, we got lucky, I guess, with the rains over the winter break. >> Yeah, >> that unfortunately wasn't as severe severe as far as any potential >> damage could have because the rain was pretty wild. >> I was expecting a lot worse. I went around the sites checking all the roads to make sure we didn't have any floods in there. But no, we got lucky. >> All right. Well, if there's not anything else, we can adjourn the meeting at 428. Thank you.
