We are here to meet and give you a chance to talk through the plan as as we will they'll entertain questions. We'll make sure that you guys are comfortable. And then the thing we need to do for is if we're able to proceed with the current bid then we need to set a meeting date Thursday, Friday or Monday so that the bids do not expire. We can ask for an extension if we need to but we want to get on schedule. That's really the thing makes it a little time pressure is that get to the back of the schedule. for all of the other construction. >> Well, let's see where we are at the end of session. So, all right, without further ado, Mr. Thank you. You all know me as direct operations. So, I
do the projects, maintenance, transportation. But with me is Brian Pack from DLA. He and I working closely together through several other projects. Baseball field weed parking and kind of coming across the street. And this kind of starts the major muscle movements of freeing up the current spaceports are and moving that to the area that we leased from the town and uh to do it on budget. So kind of look historically on this um the money that we have is all based on capacity and kind of looking at the needs and working with Mr. Nolan and Mr. Schultz on on what they'd like to see. Um and dealing with a couple of constraints with where the the new tennis court will be located. We kind of come up with with this plan um with bids coming
in right about 3.2 I have the exact number which that's 3.2 million for the tennis courts. That doesn't include the lights, the musco lights. I would do a separate PO and that's about 180,000. And then um I would do the I would do a contract directly with the people that paint the the tennis courts. So that's about another $100,000. So, right now what we have uh we envision this being about $4 million uh to do this project for the post tension concrete uh and it also would have a spectating area. Uh I know there was some concerns with the bathrooms uh not being there. That was something that we did discuss the beginning of the project, but there are not utilities there. So, it was something when I was weighing do we want the post
tension or asphalt or We want bathrooms. Um post censure concrete is a much superior product and it will last 50 years as opposed to the asphalt that requires a lot more. So um the direction we went was working with Mr. Schultz um and working with the park and the school. We do have restrooms that are accessible. It's not the ideal. I recognize that. But we would have a very functional um facility that I think we would all be proud of that we could come back in the future if money became available. >> You guys want to get around the table and take a look? [clears throat] >> I think I I'll bring up uh I know we talked about uh 12 courts. Um, and I know there were some questions about 12 courts. Again, constraints
in both land layout. Um, but I will say from >> yeah, >> the athletic side of things, 10 courts would allow us to host sectionals or regionals or even a semi-state if need be. Um, that's the playable surface there. 12 is really gives you just extra practice surface place and an extra space for competition. But 10's all we need to hold a competition at the state level. If I can orient you this way is north. This be the high school up here. This is the park. This is that retention. This is that path that's that's right there currently. So it would have a viewing stand right here. This be an elevated viewing stand. Have some lockers in there. here and we also have a public entrance over this. So these would be the posture concrete
final post concrete contract our requirements was challenging have secured one background check project. So this is this is kind of what it looks like. One of the big constraints that we had here is there's a ground pipeline right here and you put stuff over the east, but if you do that, we wanted to make sure everything was the west of that pipeline. We did have the pool right here. You can see that perimeter. This is a non-pervious surface. So, there is water detention that has to go in. to make up underneath the actual facility with underground detention. And also here in this area, which is it going for about $15 for we have a very high water table. So that was all these projects I do. The thing that keeps me up it's that bird
rail. You don't know how much is going to your budget and it eats up a lot lot of our budget. The water retention is a huge chunk of budget >> underneath the right field of the baseball. >> It's like two Olympic size pools. So are the courts all elevated them as part of the retention issue or >> float? Yes. >> A little a little bit higher because the site is high here. >> So there are some stairs here towards the retention. So they should drive you notice um how the the grade of the outfield right field there's a [clears throat and cough] go back >> where's there's about there's about two foot off the back This is all >> you would put your you would put your one your one two three and two doubles
around these so that [clears throat] It's tough to get that in because this has to be water. >> Yeah, there'll be fencing up around that. Yeah, >> there is. Yeah, there is some grass here. But perimeter >> they have to come down in the winter. >> Some of those fences have plastic >> the privacy. Yeah. >> Slats. >> Yeah. >> We'll have that around. >> [clears throat] >> I think the upkeep on those plastic slabs on the wind screens. So, I don't know the difference. That's why I'm asking what the research was on those things. [clears throat] >> Most of the high-end facilities that we've looked at have had wind screens. We have not seen >> I've seen comats and then along here they have the >> I don't know the science of it. Y
is the elevated >> and oh I was going to ask so did you decide on what what is the material >> our recommendation is not It is maintained about the aluminum. >> Well, I think we found [clears throat] >> we found they have a coating on it like the tracks. There was two the two things that we noticed when we were up on walking on it that electricity walk on it. >> So very hot. >> I can attest to the slipperiness and >> yes it's [clears throat] real slick like this is This is the same size. We also >> change this to glass. >> You can put you can bring a folding chair up there like sit there view right through the glass. So when the time >> they talking timetable February to >> So
you think it would have done July or >> I said possibly construction at the end of October. >> I understand. >> Yeah. But that's the goal. >> There's also there's also bleachers here along this And we're reusing for you and looking I know the bathroom not having the utilities there and talking with the DA and one of the things was get the utilities,000 two more probably keep it in answer to you guys and I answer to this guy too. Keep it in budget. >> So the bathroom is rel Is it a code or a key? >> It's a code. >> But can they program it to be unlocked? >> Yeah. And it can be programmed. >> Just say, "Hey, just give me your dates and I'll so it'll be either that or the high school."
>> The high school would just be for our events. We're not going to open the high school for public using our restrooms, which is I understand the restrooms and we have a lot of public use on this grounds, but >> you know that that's my concern with putting restrooms out there is that these would be unlocked a lot and and then we're liable for all the maintenance on that unlock damaged bathrooms and the park has struggled with that with locked bathrooms. You know, I I don't want to bring on that liability to us that, you know, now it's 11 o'clock at night, we have people out there playing tennis and our bathrooms are destroyed, which seems to be a regular occurrence here in town with with park bathroom. So, um, yeah, we'll use our facilities
or we'll rely on the park facilities. They're [clears throat] not covered. >> Wait, there's no shade. are stairs. So there's a little It's a structure. I mean, we could maybe that's we don't know the fate of the pool property. Maybe that's something forward we're able to put. >> We have one now out there which doesn't cover all of it, but There were times in the middle. We're using airway. So it would be very high. [clears throat] Shading up. >> So could you could you shading to the elevated viewing area? Can't do it to the bleachers. Can you do it for people? >> You know what happens atast of those kids don't play most of the teams that we play. We have 28 kids on our team and so we got kids that are don't have
a court to use. So under there's a lot of space protection Sorry. >> So this is the view. So this is kind of looking straight at it. So person would be standing up here. >> Would be able to put some [clears throat] seating >> and those would be a ground level, right? Correct. >> And they would still be able to see out here. >> I'm sure that would be Can we get rid of those somewhere else? >> [snorts] >> Right. >> They look really nice. Oh, I understand. What tends to happen the people behind themies are I love the cubby idea. We're outside. There's a lot of There's a lot of Yeah, it's a US colors. There are some districts that have done some colors aren't supposed to see color. General ready. trees. >> Oh,
yeah. >> [clears throat] >> How did it work out with [clears throat] victory? [laughter] >> All I need to know the dust settles right away. >> Okay. So there is a company there actually pretty stringent. trying to put together very stringent requirements that had to have done all their schools that were doing talked to great company actually Brent Castle First points all the lights off with with Harvard brand couple of these courses showcase. They are the way we talked about the actual way you want. That was one thing we wanted to do. >> We'll be we'll be true north. They're going to be north south as opposed to east west. They're off on a jagged degree right now. So these are going to run different directions. >> They're not going east. >> Correct. >> They're
going they're going north. >> We're going to be more true north. The research I did say was supposed to be this way. >> Correct. >> So we're angle 15 degrees. >> Uh yeah, I think that's the secondary angle. >> It makes sense because the sun starts to go in your face where we are. I don't know what >> was set up. I think this was probably >> fit in perpendicular >> at least that much more. [clears throat] >> It's pretty close. It's not quite >> [clears throat] >> That's by the athletic department. That's not that's not a part of this project. If we needed advice, >> well, they just have Yeah, I think they have different kinds. I don't know if you want permanent. Again, I'm just asking these questions. >> Points are permanent. I
would prefer portable just for the weather. >> Correct. They'll be damaged. They'll be damaged if they're out there all the time. So again, these courts with our deal with the town are open. Crown points are not. So we we we are working in a little bit of a constraint here that we allow the public to use our courts here in town. Some school districts have the luxury of keeping everybody out. So um you know, some of those soft cost things will either look at the end of the project or those would be things that athletics would traditionally kind of take forward. >> I'm curious I don't know. >> We'll talk to the coaches and see what their preference is, but something portable is going to have a longer lifespan as opposed to something out there
all summer and winter. >> Is there a shim shed temporary? >> We asked for a concrete pad as part of the project and we'll look at a shed right outside. Is the town okay? Like do they have any input or say on this? I mean >> saying like if we decide, hey, this is exactly what we want. We like it. We still have to go and >> a few meetings already. >> The height of the fence. That's perfect example. The height right now they have to kind of make new codes for sports facilities. >> Yeah, I mean I guess that's my question. I know they're Yeah, >> we're doing everything we can for them and they can't >> Well, I got I guess that's >> I got a coffee cup. I I I'll say this.
When we've gone through these things, their biggest complaints are the land like the the people in town are complaining about landscaping and landscape finishes and making sure that we meet the code and they're [clears throat] these town boards are on these other groups for not having their landscaping updated. So, they're going to make sure these projects meet their landscaping requirements and yeah, it's varying costs for us, but we've got to work together on it. >> But, I mean, and and their kind of [clears throat] their input is, hey, we're giving you a great lease deal. you know, we they're I mean, they're not they're not supplying a lot other than I mean, obviously the land and that deal, but they're [clears throat] not going to be giving money or materials or anything, >> right? >>
But they've got people they've got to make happy, too. >> Yeah. >> What other groups have a volleyball? >> I wrote it like >> [clears throat] >> The current the current parking >> should be sufficient as long as there's not [snorts] >> actually we'll use parking >> the west side >> and if you needed to and if you needed to you could still use the stuff to the south which is like the regular pool parking and walk around. That's where cross >> country >> and it's a really nice >> and I want I want to pull out my new card on this. I am so sorry. I thought you guys had already had a meeting like this before I arrived. I thought this metaphor we use all the time >> and I apologize that we
brought it to you and you hadn't done this. That was not intentional. We weren't trying to went through. I honestly and truly thought this had already happened. You can expect this type of meeting with BLA with SH for everything else that we do and I I just incorrectly assume we already crossed this bridge. So, I apologize that we're asking you to look at this the same week that we're trying to get you to prove that that won't happen again. It's my fault that it happened now because I just made an assumption. So, I apologize, guys. >> I mean, honestly, I have to defer to other expertise in the room. I I know Zip about tennis tennis courts. I've never played. I've never been there. I don't know like what's like we defer to you because
you've been the most involved, but you know likes, dislikes, and you've had community input. You've heard parents like gripe about stuff. It's just that, you know, and I know seeing this you're kind of like, "Oh man, I wish we had this, wish we had that." It's kind of late in the game. So, I'm just kind of deferring to your opinions and thoughts [clears throat] on this and stuff we could do. Some we can do, some we can't. and you guys are trying to find quick ways to say, "Oh, we can maybe look at this in the future, whatever." >> So, I I really everything we've talked about as an add-on that's not included. It has an aftermarket opportunity once we get through the traffic recirculation multi-purpose building because of the the fact that we will
raise this building and use it as water detention site. Then that buys us savings down property where we're going to do all the other construction. We won't be up all the water and million. >> This isn't our contingency budget. This is savings. This is real savings on top of the already one we're going to save by adding on this building. All that to say the goal is that we'll squeeze some money in. We just don't know how much and we need to have a priority conversation wherein we say shades first, bathroom second or vice versa. I don't really have a dog in this fight. I was a varsity coach. This is a lovely facility. We probably need to shade and eventually some bathrooms. But I don't know that that should stop us from doing this.
That's the thing I want to say out loud is I don't know that if we go back ask them to rework the plans, go out for another bid, we're not pushing this whole thing down a year down the line when we can do this and everything talked about. >> That was my question is what were the top priorities for We met with them multiple times on this. Their biggest their biggest requests were u 10 courts, lights, um they wanted an elevated beauty deck, places for kids to put stuff um and storage. That was it. >> Yep. >> Pat has seen him multiple times. Did I say that out loud? [laughter] >> Down the road. We could purchase something. We can use >> just a tight piece of ground. I mean, >> we look at it
and we go, "Wow, it's big." But as soon as we started drawing 12 cords and looking at water and it's like, how how are we going to get this to fit? This this was literally the best that we could get. >> Oh, we had a ton of them. And we have no control over what happens over there. >> So if someday >> that starts to become available >> they appear to be adjacent guys but they appear to be a >> Yeah, we did we did have discussions about additions to this facility pending whatever happens down the line. Um the other concern from the high school standpoint, we're going to have to give up the sectional another time because our our facility is not currently we're not able to host a sectional this spring again. So
we're going to reach out to Highland and ask them to host one more time. But the sectional in our court right now, we want to get these done for next fall so we can get the sectional back on campus. If not, the the opportunity we're going to miss the window and it's going to be gone for two more years. So we want to make sure that we actually have the window of opportunity to have we can't with our current work. Hopefully the courts will let We put that in for the town yet and we'll we'll probably have to do something somewhere. >> We can put it over by their >> we have a little bit more room. [laughter] We have a little bit more room to put it. We did talk about some lighting options
that would allow like a timing basis so we're not running the lights all the time so that people could come in and actually turn on the lights and it would turn on these bar cords for them to use as opposed to having this whole facility lit up. um constantly. So >> So we've got some control design stuff in there that we we did come up with. >> Uh yeah. Yeah, it's a two-year rotation. So um we're on on the docket for next year as well, but then it'll come back up with any girls >> for both. Yeah. >> Is there any correct? >> I don't know if they ever >> probably who makes it probably >> most likely it's a >> it's hard to host a semi just because of our our location. they're going
to look for a more central location >> and that's just a reality that we we can't change. But for a regional site, this would work. Um there is a reshuffle for the regional sites coming up anyway. So this this should help. Yeah, I'm fine. I just >> I'm sorry. >> I'm honest. I feel really awful, guys. I promise you won't. You'll see all these plans. >> That's why we need to locate a date to have >> 17. Hey guys, this is 17th. >> No, >> you're going to send these guys. >> Okay, we'll send we'll send subsequent dates to you guys. contract or what are you looking for? No, no. I need I need to know that you want to set a meeting, a special board meeting to approve this >> meeting. So Amy, Kyle,
>> I reach out to the cont. If I reached out to the contractor and they were good with us >> all together tomorrow morning 48 during. >> So you want to do it? >> Okay. 8:45. It is literally one item deal. You >> guys are okay. Okay, >> that's easy. >> We'll notice that meeting. I believe >> I move to adjourn this meeting. Is there a second? Sorry.
