Trust me, you don't. >> I will now call the committee of the whole meeting of the Hazel Park Board of Education to order on this January 12th, 20 26 at 5:30 p.m. >> Roll call, please. >> Here. Becker, >> here. >> Fortress, present. >> Here. here. >> Here >> we have a quorum. Welcome to 2026. It's a new year. Uh can I get a motion to approve the agenda, please? >> I make a motion to approve the agenda with adding item 12 to other to discuss weekly notes. And could you repeat that? adding >> item 12 or item actually item 13 weekly notes support. Where's item moving something? >> H3. >> That's what I >> weekly notes. You said >> yes >> under other >> Yeah, we have H12 EETformational and then H13. >> Where's
H12? >> I have H1. >> Uh, you know what? It's an that was added on to the agenda >> for the champions. I think he's I think I got >> Sorry, I didn't I wasn't aware I'm I'm looking for this. I'm struggling. >> You should have a new agenda. >> Struggling. President G H so H12 FB I apologize is 2026 rateformational then H13 would be weekly notes. >> Okay. Any discussion? um on adding that. Sorry it took me a while. I didn't couldn't find it. I had different agenda. Um all right, roll call. >> Yes. >> Becker, >> yes. >> Fox, >> Yes. Motion carries. Um, I have one person to speak. This is public comment time. I have Carla Presley. And I'll get up to the podium. Um, I am here because it is
resource fair time. Um, our fourth annual family resource extravaganza and chili cookoff. In front of you, you have two letters. One is for raffle baskets. I know the board typically does a raffle basket. I gave you each one, but I know often you guys come together and do one together. Also, our Hazel Park uh firefighters win the chili cookoff for the last three years. If anyone is a very good chili cooker, um you know, they have thrown down the gauntlet and doesn't think that they they don't think anybody's going to win except for them. So, please, if you're a good chili cooker, uh, sign up for cooking chili. Um, lastly, I am now doing office hours at Longfellow on Monday, Wednesday, Friday. And, um, so it's been it's been kind of fun going back and
forth. I have an actual office set up. Um, so if you are out and about and want to come visit me, it's it's a little lonely right now. Hopefully, not not moving forward. Um our re uh going back to the resource fair, it's on February 7th, Saturday from 11 to 2. Um hopefully uh we can have lots of raffle baskets, lots of chili. Uh we already have 30 vendors signed up. I we're planning on haircuts again this year. We've already gotten some folks that have volunteered, so we're hoping to really make it bigger and better every year. Thank you. >> Pretty nice event. So, if you haven't been out there, uh, come on out to the resource fair because it's awesome. Uh, next on the agenda, uh, is the new business. Uh, Dr. Willax will
conduct the election of president. This is the organizational part of the meeting and then the rest of the meeting will be on our uh, committee committee of the whole. So, I turn things over. I can't run the election as the president for the president. So, >> yeah. All right. Great. So, uh, we will be looking for nominations for the position of president. >> I'll nominate April Beaten. >> I'll nominate Beth Hinton. >> Okay. So, one at a time. So, there was I nominate April Beaten. Uh, do we have a second? Well, first of all, April, are you interested? >> Um, I as a point of order at the organizational meeting training that Heidi and I went to, uh, we learned that if a motion is on the table, it has to be voted on regardless.
>> Okay. So, >> what was it? It has to be voted on. What? >> It has to be voted on regardless. >> Regardless of if you're interested. >> Yeah, we learned that if there's a motion on the table, there's there's a vote. >> We have to get a second. Correct. >> Yeah, that's still So, we have a second. >> Support. >> Okay. Um, then we need to take a vote, please. >> Richie, >> yes. >> Becker, >> yes. >> Do I vote? >> Yes. Oh, yes. >> No. >> Fox. >> No. >> Okay. Motion fails. We have another motion for president. >> Be hinton. >> Support. >> We have a move in support for Bev Hinton. Could I have a roll call vote, please? >> Yes. >> Crazy. >> Yes. I will say just as
a point of explanation, um I mean I think it's not a secret that we've been really divided this year and I think that a lot of that has been encouraged at the leadership level. We've had a lot of predetermined motions. We've had a lot of predetermined decisions. And while I support Bev's knowledge and expertise in just in good conscience of that, no. >> Becker, >> yes. >> Fox, >> yes. >> No. >> Yes. Motion carries. >> Uh, motion carries. And I'll turn it over to President Hinton. >> All right. Um, thank you guys for that uh nomination to have me back as your president. Um, the next one is a nomination for vice president. >> I'd like to nominate Debbie Lebron Boyce, but I'd like to nominate Abra Weaten. >> We have point of order.
We have to go a motion at a time. >> Yeah. Accept, Debbie. We have to vote. >> I said you have to vote whether I accept or not. Don't you have to accept first? No, she doesn't. >> No, they were just told you the point of order that. So, we have to have a second for that motion and then a vote. >> Okay. So, I'll second it. Isn't that Nobody seconded. Debbie, >> no. Go ahead. You can second. >> Okay. Um All right. Motion for uh Debbie by Heidi, second by me. So, uh, roll call. >> Fortress, >> yes. >> Becker, >> yes. >> No. >> Did you say Hinton? Yes. >> Okay. And now I need to nominate um >> I nominate Monica Rati for the position of treasurer >> support. >> Okay. Wait,
my my paper head secretary and that's so >> Oh, sorry. On our says treasure agenda. Sorry. >> So is it secretary? >> The agenda that it was approved is treasure. >> Say treasur. >> Treasur. Mine says C for treasur. [Music] Are there any other nominations? >> You have to take the point of order on the floor. >> Okay. So, we're voting on Monica. >> This is different than I watched today. That's why I'm confused. Yes. I watched two different districts and this is like confusing. I couldn't watch ours because I couldn't hear it because people don't speak into the microphone. >> So, all right. So, it's Monica and it was second. >> Yes. >> Was it seconded? Yes. >> We have a second by Nate Becker. >> Okay. >> And this is for what position?
>> Treasure for Mile. >> All right. Um, roll call. >> Beaten. >> Yes. >> Becker. >> Yes. >> Forress. >> No. >> Fox. >> No. >> Lewis. >> No. >> Ratique. >> Yes. >> No. So motion fails. I need Is there another nomination? >> I um motion to nominate Heidi for treasurer. >> A second. >> I'll second it. >> Okay. Uh roll call. >> Yes. >> Benson, >> yes. >> I'm sorry. Heaton. >> No. >> Becker, >> yes. >> Fox, >> yes. Leo, >> yes. >> No. >> Okay. Motion carries. He's treasurer and I didn't announce vice president Debbie. Uh nomination for secretary. >> I nominate April Beaten for secretary. >> Support. >> Okay. Motion by Heidi, support by Nate. Uh roll. >> I can't see your face. >> Yes. Yes. >> Fox, >> yes.
>> Leaf boys, >> yes. >> Ratine, >> Yes. Um, April's our new secretary. Oh, I Yeah, April's our new secretary. That was seven, so no point in more nominations. >> Darren germed up his seat, though, so we're not switching spots. >> I would recommend it. I would miss you if you move right over there. Who would pass me in my paper gloves? There you go. >> All right. Congratulations to the officers. And the next on the agenda is the committee board appointments. >> Oh, I feel so >> we can hear you. There's a microphone right there. >> Okay. So, everybody got a a description of these uh committees. And the first one is the Ruth GC under the superintendent committees. >> I would still like to see >> I think you just volunteer. You want
to do Monica? >> I still I like that one. >> I've not been on that one yet. So >> I do. >> Did What are we Which one are we talking about? >> Okay. I'm sorry. I couldn't hear. >> We can have three. We have two. Monica and Heidi. >> I I will do that. I did that last year, too. >> Okay. Yeah, I think you did. >> Yeah. >> All right. Then we have um honor and HP um contributors for my list of who did it last time. It doesn't matter. We can have new people. This Fox Hinton, Tina Safarian, um must have been on here as a staff rep. >> Yes. So, I will name the staff members. You will name the ones that you'd like to join. >> So, who would like
to serve on that committee? >> Do you want to say? >> I guess I will. >> Darren. >> Yes. >> After his hearing, >> Monica. Darren. >> Yes. >> All right. Cool. [Applause] Okay, we have um open open enrollment committee. >> Um we don't have an open enrollment committee on the agenda. >> Well, you know, that's what I thought. And then I have this paper here with something different. >> No, that'll be a committee that in the goals uh are focused on later in the school year and it'll be a superintendent committee. >> Okay. >> So, we're going to have it. We're just not naming members right now. Not at this point. No, I got it. >> Okay. You need to designate the designate person and an alternate for the Oakland schools u elect members
of the board of the schools. >> Um I don't mind doing that. I work pretty closely with them anyway and I'm frequently in the building. So >> can I Oh, I think there are two different ones. >> Yes, two different. But do you want to stay on government relations? >> I do want to stay on government relations. Yes. Same thing. >> Okay. >> So, we have April for the first one and then board member to Oakland County School Government Relations. >> Can I point to order? We need an alternate for the budget. So, a designate and an alternate. So, we need a second on on a please. >> Oh, okay. We need an alternate. >> I can do that. I think that will be uh April and Heidi and then Debbiey's next. >> Is that
a the Oakland school government relations? >> No, that's B. That's what Debbie wants to stay with. >> Okay. It's It's different from the I'm looking at this. I'm going off this. >> I'm looking at the agenda that you guys approve. >> Three different paper. >> Yeah, it's very confusing. Sorry. So we're you're volunteering for the alternate to aid the budget >> up to principles. >> Yeah. >> Yes. All right. The alternate for Debbie. >> No. On the on the government relations. >> You don't need if you can't go, we don't accept somebody. >> It doesn't say that. >> I don't think it doesn't require. So for example, the budget has to be voted on. And so if somebody can't go, they have to have somebody there in order for the budget to get approved. >>
Okay. That's the Oakland schools liaison, right? >> Yes. >> Okay, perfect. >> So, also not on the agenda, are we doing these other ones? >> Hazel Park Youth Assistance Museum Representative. >> They were not on the >> They're not on the agenda. >> We did them later. >> We named them at our business meeting last year. >> It was not approved to be on the agenda. So, we can bring them to the formal meeting at the end of the month. >> Next. Yeah. >> Okay. Moving on. So we have um moving HP youth assistance, the museum and the MASB delegate assembly all to >> none of that was none of that is on the agenda. >> Right. It moves to um the 26th is it? Because the 19th there's no meeting, >> right? The 26th.
>> Yes. Yeah. Monday's a holiday. >> Oh my gosh. I'm really sorry I have too many agendas. I I >> This is the one I wrote. Okay, moving on. We have the 2026 business organizational items. There's another agenda. The addition on to the business organizational items for your reflection. Uh if you remind me is the um should be the payment of or did you do that separate Jamie? The payment of board members >> that is down in policy. >> Okay. >> All right. Thank you. >> Are we approving this all as one hole here? >> That is what we've done in the past. Unless you'd like to unless you'd like to separate it. >> Well, does anybody have any questions on it first before >> then? We got to make the motion first. I'll make
a motion to accept the organizational items as presented. >> A second. Okay. Motion by Debbie, second by Heidi. Um, any other discussion? Roll call, please. >> Yes. I know. I >> Yes. Motion carries. 70. Okay. Now the business um personnel is our first committee item and is student intern. So we have um brought forth again the the memo that we brought forth last year. There is one change to the building and ground section. So the amount of students is the same. Um, however, one position of the five students would be eligible to work throughout the school year. As it was written last year, we would have the five students able to work on breaks as well, winter, um, spring, and February break um, as they're out of school. But this would give one student an
opportunity to work maybe after school or, you know, be helpful on the weekends or something um, throughout the entire school year. And the place that this came from is that Berkeley recently was uh celebrating a student that was working as a custodian and I'm like, "Oh, we could so do that." And so giving this a chance in operation to kind of see how it works for us and that might be something we expand in the future more. Uh lots of kids could work after school as long as there was a head custodian in the building. >> I love that idea. So the exact dollar amount on that one is fluctuating dependent on the age of the student who's assigned to the position. Um because at a certain age you can only work so many hours
and you know how many hours they but the maximum I listed in the in the memo will that person who works year round I mean like it doesn't really make or break it for me but I think it's a really good opportunity for them. So, I mean, they'll get to go through like a full-on interview process and >> Sure. Absolutely. And we generally do that with our interns where we um >> uh with who is in charge of the uh the department that they're going in. They we ask our interns to give us a resume. We ask our interns to write us a letter of interest. Um and then we will sit down and have conversations with them just to kind of educate them in the whole grown-up aspect of life, right? Like having an
an interview. Um, so much times these kids aren't going to get that until post high and that is something that we're we're hoping to help them get to. >> We used to have uh co-op students, many of them like 40 at one time working either with the secretaries or in my department for the media or custodians and which was really nice because it did give them an opportunity to um better themselves. And unfortunately, you got to run that through a program with someone with oversight. Now, co-op doesn't sit in the same way. I believe my guess is it's going to swing back the other way and we'll see some of that. I also want to address one of the questions that was given to me regarding the board packet and so they don't get retirement
on this because they're students. This is just the normal taxes that individuals gets taken out federal state taxes. >> Okay. Any other discussion? Any other questions for Miss Kes? One more. Uh, is it is this budgeted for a full year in the budget? >> Probably. Most likely. >> Yes. >> Okay. >> Weird question, I know, but >> No, it's good question. >> Okay. Thank you. The next one is superintendent. >> We have to vote. >> No, >> we're not voting on this one. We're done voting today. >> You're done voting? >> Yeah. >> I thought we got to do cool stuff. We're just talking about >> Yeah, we were just talking to see if there's any changes or you have additional questions. So we really, you know, uh anyway, so the next one is the
superintendent contract amendment. Uh per our last meeting asked for this to be here in open session. And so uh my request had been to uh go ahead and um give uh a raise each year in an OS uh format. And so um this change does not do that. It was requested in our conversation not to do it that way. And so this only lists last year's and I hope this works and this year's uh at a straight salary of a 3% raise. Um I would be the last one to have gotten a raise in the district which is the way we've kind of done it in the past. So it's a 3% at 185743. Um, and I gave several examples to all of you last night of the OS piece that superintendents are doing, which
usually there's um, all the steps that are in their multiple years. The other change in the contract sits down below. And actually, it's not in my interest. It's in your interest. The law states that as of 2024, any contract that's done, there has to be a way to go and arbitrate uh, evaluations because evaluations are really what's uh, about improvement. It's not necessarily um you know for deciding salary or anything along those lines. It's it's for the boards and the superintendent to work together. This one does not send you to arbitration. This one sends it back to the board if I disagree to the with the contract. So this is a little different than the law. It's how Clark Hill suggests that you do it instead of having a costly arbitration go through with evaluation.
Um I don't think there's any other changes other than taking out highly effective as there highly effective is no longer there. It's only effective. The other piece for the audience is that uh you're obligated to do merit pay for your superintendent. And so the merit pay we have just focused simply on the rating of the evaluation and that's uh 3,000 which is less than it was uh when highly effective was in place. So, why aren't we doing your steps in the contract? >> Uh, I was asked to remove that that the board was not interested in a multi-year raises set in place and um and so that's what I did. >> The question I have is what was your original amount in the first contract that was voted by not this board, but um was
it 180? Um I'd have to go back for uh every year this board has spent money on attorney fees to give raises. Okay. >> Uh to the superintendent. So for the 2425 it was 180. Uh you take 5% it would be I think it was 170 something. So, what has traditionally happened in this district since I've been here, I don't know what was done before, is that I took uh at least the amount sometimes lower through the years of what was given to the general group. And you've really done that among uh everyone across. That's not necessarily common practice in the superintendent world, but if that's what the board chooses to do, my greater concern was is that under the OS changes which came out um not having a salary and lane schedule causes me
to potentially go back to the 145 which I started 11 years ago which could harm my retirement. John thinks that this may work. It may not. It just doesn't have all the steps and all the items that are in there. >> So >> John be Clark Hill. >> John being Clark Hill. Yes. You said 145 11 years ago. >> Yes. >> And all along you've been getting raises, but did your contract say that? >> Every the Yeah, the board approved it every single time. No, the contract didn't say that. You amended all of them. >> So, they amended the contract. >> Each and every year, you paid an attorney to amend the contract. >> Okay. And that's what this one is doing is to amend it. But you're asking for the additional uh having 5
years in the or or whatever amount of time. >> No, this contract. No, this um I asked for 3% until 2029, which is right in the it's actually below what superintendents are getting, but um uh 3% each year, and that equates to what your teachers will get at a minimum because their step is 3%. So, we set that up in the last negotiations. And so, it would cause you just to have, you know, the raises. You still have the right to buy the superintendent out or refuse to continue with her or what have you to try to find some fault. Um, but it's set so you don't have to keep going back and having this conversation next year. >> So, I don't understand why we're not putting in there instead of it's in there and
then we are not paying someone to amend this every year. Um, I have we did not do that for any of the other administrators. We put in a straight salary schedule. Um, and it to me it's kind of putting the card before divorce because we never know the budget and we're now we're giving her 3% before we we're going to negotiate in a month and we're going to be giving I'm not saying they're getting 3%, they're not giving 3% but I think it's putting the car before. That's my opinion. We need to spend money on a lot. This is for discussion. Lady >> I meet with Dr. Wilox and when she says the board wasn't in favor, it was probably that's the idea of the president, I guess, but um I don't think that we
put raises out that much in advance. What we have, we are on the Michigan Treasury Watch list. One of 20 schools out of 600 districts in in Michigan. We are one of 20. We have a $1.2 million fund balance. And to like Debbie says, cart before the horse that you're going to put it out three and four years in advance. That that isn't logical um to me. And we have uh generally you get the raise, you get your evaluation and you get the raise at the same time. Um it kind of follows. You go in close session, you come out, you tell the score, you get the raise, you get the extension, you know, get bits and pieces. It's it's like a package. >> Is that how it worked before? >> Yes. >> Okay. >>
Uh not always. Um I got a raise when the district got the raise at the end of the year. So, we did have several years when my contract was or my evaluation was done in December. And so, I am not asking for an extension of my contract. Uh, this contract's at 2029. It, you know, it it's e neither here nor there. I would prefer to do it that way, but it's really the piece of the board. We can go back every single year, but it wouldn't be your raise is supposed to be, you know, based on a raise. your evaluation is um you know I don't have an additional merit pay in there for my evaluation. Many people have like $10 to $20,000 as a piece of merit. Um so you know it's either here
or there. I hope it works how we have it set up if that's what the board chooses to do and it at least adjusts my year for this. I would prefer we didn't do it midyear only because it's not a tax rate thing to go back but it's up to the board. >> Thank you for enlightening me. Sure. >> Are we choosing one of these timelines for the evaluation or we're just going with the al alternative? >> Well, if you approve this contract, then this contract changes um my evaluation timeline to be um >> so on the next one, it changes my timeline to be so the first one's the currently approved timeline that we're doing. So, if the board votes to change my evaluation, then the alternative timeline would be December to December. So,
I just wanted to kind of put that out there. If the board chose not to, then it goes back to the 26 and then I would not be evaluated right up in there until June 2026 and then, you know, be just a different change. >> Okay. So, >> I appreciate that. >> Yeah. So, we won't put this up. >> Yeah. We wouldn't put this on here. If the board is intends to move forward then we don't need this. I mean this is just reallyformational so you guys can see what the timeline would be. >> The new one is the one that was recommended to us. >> Yes. Okay. >> Okay. Um moving on then I guess is policy debit credit card. >> Well it would be actually D3. I'm sorry President Hinton. >> What is
it? >> It's uh superintendent goals. It's not on here. I have >> it is on this. It is on the agenda. >> I'm sorry on the agenda. >> I have one more question. Sorry. >> Can I ask one more question? >> Yes. >> Um regarding the contract. Let's say we did this the the levels 180 and then 180 whatever it was for the next year. >> That's for this year. >> 185 is for is 2526. >> 2526 because I didn't receive a raise. So if something was to happen, would are we locked into that >> 2526 >> or even next year if you were to >> Well, there is no contract >> for Well, yes, my contract is still 2029. If the board chose not to give a raise, it would be the current amount
that's listed in there. >> Okay. >> So, the request was to make the 20 2728 3% and 2829 3%. >> Okay. And if we were in the the crapper in 28 29, >> what is our recourse? Can we not give you the 3%. >> If we didn't have a fund balance, I mean, I'm just throwing it out there. >> Well, you could put the 2627 and not do the 2829 and that would at least have you wouldn't have to do this next year. It would kind of walk through next year, okay, at 3%. And not put the 2829. Um, but no, when you write a contract, normally you keep your superintendent locked in. you would write a contract extending out if not that last year you would have to do open up for a raise
or not give a raise. Right. So the the contract for the 2728 would remain the same. >> Okay. Thank you. >> So we would owe you 6 months retroactive, right? >> That is what Yes. Could be owed this. >> Yes. >> Okay. Are we good? >> Any changes that you're requesting? Is that how the board is wanting the contract to remain with just the 2526? >> Can we just add the next year? Not maybe if we are not doing all of it then like you just explained to Darren, but if we added the next year that we're not going back and spending more money, everyone's talking about money, money, money, but if we at least add the next school year, we're saving a little bit of money of not having to have a lawyer redo
all this. >> I just I'm really hesitant only because I want to see where we land financially. That would be my only hesitation of adding a year. I want to see where we land at the end of June and if we meet that 5%. Fun balance. >> Well, I have to tell you our fund balance, we're really only about 200 plus off uh for the fund balance and we made recommendations on how to change that financially for you as well to be over the 5% of the June 30. I understand that, but I just until I see the actual >> and the board chose not to make a >> Amy, I completely understand. I'm not trying to argue with you. I'm just stating my point. I would not vote on this with the 2627. I
I the way that it is, I'm 100% fine with. I just personally would like to see where we come out at the end of the year. Is there if part of the thought process behind this is because of the changes to OS and the potential of damaging a retirement. Is there a way to put that salary schedule in place similar to how we did with the remainder of the administrators even if not the contract? administrators. We didn't put it anything out past this year either, which is okay. >> But we went we went back we didn't go >> we went back and then put the same salary with the agreement of what we could do there because you don't have a contract with them with me. You have a contract. So they don't have a
contract in that same manner that I do. Superintendent's always a little different for them. We in March we would do theirs for going forward. So, >> so with the basically with the RS changes, there really is no way to protect the that retirement aspect of it with a schedule outside of a contract. It needs to be built into it in order for it to compend it. They they and truly um you know, it also is damaging to me tax-wise when you go back retro six months ahead of time. So I would hope that maybe this conversation then would happen in the spring with everyone else, but then you will have to have the contract amended by >> Another person. Yes. >> Okay. Goals. >> Yes. So um uh I did go through there was some
questions about goals here about some changes. Um one of the one was like to see the board appointed facilitators and consultants. uh with a reminder that I do have that in there, but it is not my job to do the work. It's my job to support the work. My job is operational, you remember, and to help them to do the work. And so, um I I would um probably not a agree to that in facilitator because that's a consultant, right? Um but you guys can can request that if the entire board would would like that. I mean, there a consultant is a consultant. a facilitator is a consultant um and that is an operational uh piece. So of course I'm going to support that process and have continue to support that process. Um there was
another request on the bullet 1234 financial um asking about you know the process that we will do for en enrollment trends. We're working with the person right now um who has some really good conversation. And we've had to go back three or four times with Fred who's the suggestion that that Don Sobe has given and through his um then we would be doing some breaking down by school of choice. Then we'd get a stakeholder group together and hopefully after we complete um the strategic planning we'll have a group and that'll also help us think about buildings and all of those along those lines. So we'll have a stakeholder group and I'm sure that part of that group as well is we'll do some surveys out to the community. I don't know what that looks like
yet um because we got a lot of other things that are hot on our plate and um I have some ideas but uh this would you know be completed by November 2026. Um another bullet they asked about the handbook being done in January. No, it is our plan to have it completed. Um we actually the the employee handbook is already updated. Um, and I project that we're going to have to make additional updates to every single handbook that we have. Um, so I certainly could change that to September 2026, but we have our first employee e handbook that uh is put in place. >> It's just at the bottom. So I thought it was a typo. >> Yeah. Yeah. I mean, I could change that to September because really as we do the it'll take
you two months to approve the policies and then um we'll start with the administrative procedure and I think that's going to take a couple months to do that. So, we're a month behind already on our administrative procedures because of the delay of approval of the policies. >> Is that in the goals about the handbook? >> Yep. It's it's under policy transition and alignment. Update the employee handbook by January 2026. I would suggest we change that to September 2026 like the other ones given the fact that we don't have um >> you know we're going to have to totally redo all our handbooks. >> Okay. Any questions? >> Any opposing of that? >> No. Okay. >> Makes sense already in January. >> So we'll change that. >> Okay. The next thing is uh policy use of
debit and credit cards. That's a nice handout explaining explaining it. >> Yes. So, um we have two different policies in place right now and um we have the one that's coming up and the um current Miller Johnson one and then the Clark Hill one. So, you really at the next meeting you would be approving the Clark Hill and then we would need to bring that back around. we would change it um at after you approved the policies in March. Um the reason that we approved this at this point in time because it's in your guidelines, you know, your what did he call it the other day? PLOB plop bop board. >> Um you know, you would rechange that also in your handbook that we developed using the new credit card policy. And we could really
not even bring this if you chose at the next meeting. It's really just a review. It's not necessarily I don't believe it's said it's an approval. So the authorization with the limit of $5,000 each is an operational standpoint that would go and add policy administrative procedures. >> That's what you are right Debbie. I would say almost all those that you sent to him today are administrative procedures and operational job for us. >> That's what I thought. I want clarification. >> Sure. >> So, uh, next is district policies draft. Um, I thought the conversation was very good. I was glad he came the other day. Um, but would you consider that first reading? >> No, >> it's not first reading until we um corrected >> at the at the meeting and it's corrected and it um
you did not vote today to >> to approve that. So, >> well, that's what I mean. The next meeting >> the next meeting will be first reading. Yes. And then February will be hopefully second reading with any other changes that are put in place with then we will start you know with in March. >> Okay. >> Madam President, may I be excused? >> Yes. >> For the rest of the meeting. >> I'll watch it on TV. >> Hope you feel better. >> Feel better. Darren, but I'm a little glad you're leaving. >> Yeah. That's why I'm feeling nervous somehow. >> Yeah. Yeah. >> Thank you. Hope you feel better. >> Board compensation. I'm assuming we talked about this. Is this going to be in a protocol? >> Uh, this is going to be in the
board operating procedures, but we agreed to bring this to the meeting um uh we agreed to bring this to this meeting for conversations that it should be also approved yearly um at your organizational meeting. and so we can approve it at the next meeting. But I did not leave with clear guidance on what the board's preference was if you wanted to be paid monthly at every meeting. I heard both at the situation or you wanted to be paid for each meeting you attend um and how this board so it was it's here for conversation for direction for the next meeting. >> So this um now I've seen it a couple different ways. My assumption was it was $40 per month. This one says it's $40 per Oh, I've seen it in the newspaper where it
said $40 per meeting. So, I think we just need some clarity if we want to get paid per meeting or per month and how we want that to look. Most boards get paid um >> per month. >> Per No, per meeting. >> A lot. Uh, I believe like the city gets paid per meeting, but school districts mostly are paid per month. You did hear them say that there were some districts that are starting to get paid per meeting. Um, but again, that's additional cost to the school district. So, you need to decide what you would like here. Um, the current policy says, well, the one that I believe you will adopt in February says boards will be paid as a stipen. Your current policy says for Clark Hill, you shall receive $40 per month if
you attend meetings >> per month means one meeting. Um some um Fitzgerald, I think they made a couple hundred a month. Um Center Lo Center makes like $300. I'm I don't want that. That's what I'm saying. >> But those are kind of equal to Hazel Park and they're making $200 or $300 a month. Um, so >> I believe that center line superintendent's also making a lot more money, too. >> Um, I would like I know that the minimum wage is $13 an hour. I would like to see this increased. I mean, we all have the option whether to take it or not, >> but um we we do put the time in and I would like to see it per meeting. We do have two meetings per month. >> Three. >> At least two. >>
Well, a minimum of two. >> We just need what the board agrees to to have it ready for the next meeting for approval. I'm of the mindset that it stays the way that it is. Um, I understand our time is valuable. I appreciate that. Um, but we're talking about cuts and fund balance and money. I have a hard time voting to give ourselves raises. Um, >> when we're also having those conversations, >> right? But we we're not even making minimum wage. >> I understand that. I'm just giving my we're sitting out here. >> That's fair. I respect all of you and all of the work that we're doing. Uh, absolutely. I'm just giving my mindset on >> Okay. >> the matter. >> Would you be suggesting $40 per meeting or would you do like $30
a meeting? >> I would do $30 per meeting. >> Okay. So, you change the amount and the number of meeting or the times you get it. Yes, >> I I have to agree with Nate that I'm good with leaving at $40 a month. I I get that we do have a choice to take it or not take it, but again, we're saying no to raises, no to other things, saying no to our admin telling us how to make cuts, and now we want to ask for more money. You know, I think this would be something for consideration once we get I I'm assuming we'll have like a center also that says X amount of money is going you can go to one conference out of state or you can't or three in instate conferences and
you get a flat amount of money and then we'll see as it goes away what we're spending on all those trainings. So, I would prefer to wait until we had >> Okay. >> something like that. >> I'm good with that. >> So, President Hinton, am I hearing I didn't hear from everyone. Am I hearing that at the next meeting that we would approve at this point $40 per month? >> That's a good question. Yes. >> That >> Yes. >> Okay. I heard one, two, three saying that. >> Yes. So, our next meeting is going to be our memo will opt status quo. >> Yes. And and if I may, the conversation that Mrs. Hinton just had, would are you asking us to make some recommendations uh in two months from now, not not this upcoming
month, regarding some options that are out there to go in the board operating procedures about the number of conferences. So, for example, in my um last school district, you didn't get to go every year to a conference. You like went every other year. We rotated how many people went to conferences. So, you you said like if if two people go here, then you know to the state conference or to a national conference. Um there was kind of some indications. Would you like us to research that and bring it to President Hitten for some suggestions in the month of February? I think that's what we should do, but I also think it helps if we know if we have the money to go to 10 conferences. But yes, that's what I would like to see. Okay.
>> It doesn't have to be. Let's just wait till June when we work on the budget and do that. >> Well, the the the Okay, the budget will be coming to you sooner than that, right? You're June is when you're going to approve it. There'll be some conversations along the way. I don't think you'll have a line item accounting on what you spend until next June of 2027. As we know that the work that's being done is not for this year's budget. It's for the 2627 budget. >> Okay. Next up is buildings and grounds facility assessment. >> Yes. So, one of the recommendations from uh Mr. Soie as well as it was time for us to do this is the facility assessment. you asked me to address what was uh done before and the 2021
facility assessment with cost was $50,000. And so this you can do this in a couple different ways. Um choice one is the $45,000 which is by building and also includes um reviewing and doing a cost which would help you make some determinations after strategic plan is over what um you might like to do for a bond coming forth. As I will continue to mention that the hopeful process is strategic planning. Then you would look at the facility assessment. We would also get a roof assessment and then we would look at what potential bond you might want to do as we will have some mills coming off again. And um or you could also add on the other piece which is probably helpful as you're looking at potential bond is the spaces you have. Do they
align with the instructional goals we have about future education? One of the pieces that we talked about is well Hoover is a wonderful school. It was built in a time where kids were smaller, classes were smaller, and you didn't have special education. And so those environments aren't there. The additional add-on for that is 165 if we choose to do that. And so the cost right now, we wrote 45,000, but if you'd like to add on that additional cost, it takes 165. This would probably not be ready till May or June. It takes time to get out there and to do that also at a time where there's a lot of proposals and RFPs going on for people. >> Okay. I am trying to figure out where you got the 165 number. >> If you look
here the uh under optional add-on is a 1500 per building uh which is Hoover Webster United. >> Yep. >> I thought all of those together was 1500. I guess I was wishful thinking. No, >> 65 >> per building. Okay. >> No, no, no. 65 alto together. >> No, I mean 1,500 per each of those buildings. And then Web Jardon and would Web and Jardon be the same building? I'm assuming >> Web Jardon is 2250. The middle school is 2250. So, it's really done per size. >> Yep. Gotcha. And so they would also give you some ideas of things that potentially need to change for um >> current instructional purposes because our schools were built in the 50s at a different time. >> Okay. I just thought it was for those schools it was 1500. For
the next schools it was >> not each total. >> Yeah. So we did not put that in until you as a board said no we think we'd like to do that and then we would present it at the board meeting uh with the alternative pricing in there as well. My recommendation is to do it as it is going to give you a better picture and you need to do it at some time anyway. But >> I was going to say are we going to have to do this? >> Yes. Anyways, >> I would I would like to do it all at once. I mean I my thought process is that if somebody comes back out and starts the process all over again. This will not be an add-on cost. It will be a larger cost
and it we may as well pay it in one fell swoop. [Music] So would the long color portion come out of the grant? >> No, the grant is gone. The grant is uh was just for building. >> No, but the Balmer grant we have that real nice list of all that that's paying for. >> It's not for building assessments. It's for community schools. So it would not the >> Yeah, I'm sorry. The 1500 if I believe this can come out of the scing fund. I know it says general fund. I thought it changed it, but I believe this can come out of the scing fund. >> So, this whole all of this the whole 45,000. >> Yes. I will double check before before the meeting, but I'm pretty sure when I looked at the purposes
for syncing fund and I'm looking at you Crystal, as well that we're able to use syncing fund for this. >> Yeah. >> It would be nice to have that done. >> Will this help with the next bond we go out for? >> Yes. That's the whole purpose of Okay. I'm just >> Yes. Hopefully the strategic plan this will help us look then and at some point next year we will have some decisions as well as the enrollment committee, right? That will have some decisions about what the community would like to do. >> Okay. So, next we have the bleacher uh buildings and rails bleacher repairs. Yes, they are expensive and would come out of this sinking fund, but we went ahead and had the bleacher pieces done um for them to assess the bleachers and
really our auxiliary uh gym at the high school is in really poor shape. Um 179 to get them up to code. Clearly, there hasn't been some work on them. Our high school main gym bleachers have some damage starting and the junior high bleachers um have some work that needs to do. So the total recommendation is 28464. Um this would come out of the scing fund. >> I I'm just a little confused. Our high school main gym bleachers are probably I know yet less than 2 years old. >> Yes. But if you look at the items that need to be done, there are items that have popped off and what have you. There's not a warranty that sits on that. Um and you're obligated to keep them safe. >> And their report was very clear. >>
I know. I know about keeping them safe and I I'm just un Why didn't we have a a warranty on them or we had nothing? >> I can't answer that. I don't think these things would be warranty. These are things probably from wear and tear from kids and I certainly can go back and pull the warranty and have you take a look, but if you look the loose cap, a damage to the seat, um you know, uh >> that's what I was just wondering. What What is the damage? Maybe it's in this report. >> It is the second report. They they have specific pictures of what you need to do throughout. >> It's a floor anchor attachment proper guard guard rail gas >> and really closures. I mean >> this inspection should happen on a
yearly basis. >> Yeah. >> Does this >> the report for the ox gym at the high school? I mean, when we use words like up to code, does that mean that currently they cannot or should not be used? >> They're not up to code. Yes. >> So, this we would if you approve it, we will get moving on getting this work done ASAP. >> Okay. I >> think that's important. >> And at some point, you really need to look at the bleachers. If we don't go for a bond at the high school as well, there's a tremendous amount of safety issues that sit on the side. And I have to tell you, your liability is great. Um, one of the things in the set seg uh workshop that we were in at the superintendent's meeting
was about um knowing that you have some issues and not fixing them and what that can cause when a child gets hurt. And what happens is however those bleachers were born and I know that someone said they're newer, but I don't I think only the tops are newer that they move. I think Mr. uh Mr. Patterson can attest to that it moves and so then it bounces down and um they really needed to be replaced. I thought I thought that was was the driving factor on us getting the bleachers looked at was the outside visitor side bleachers. >> Um that is not it was the junior high bleachers that was being looked at. It was not the high school football field bleachers. That's something that we would need to do on top of that. That
was not what the approval was for. >> Can we have them look at that side? >> Sure, we can have them. I I I honestly thought that's what the >> I believe we need to have them look >> was >> I believe we need to have them look at both sides >> the the visitor and the both sides of the football field. >> Okay. >> I will bring a proposal for that at the next meeting. >> Okay. Sounds good. Thank you. >> Thank you for that. >> Okay. Next. Finance grants. >> Well, we have a our summer discovery grant. Dr. Dr. D, would you like to speak to that? >> You know what? I am going to let Miss Presley Miss Presley did a lot of work on that for you. >> I did do
a lot of work on that. >> It's a big achievement. >> Um, well, I don't have it in front of me because I didn't anticipate this. >> Sorry. >> Well, I certainly couldn't speak. >> Um, well, um, >> this is just invest that's on here. >> It's both. Okay. >> They're both okay. So luckily this year um and thankfully they um Summer Discovery Balmer is um willing to have our kids raising first grade up to 10th grade this year. So they've added a grade which means we add kids which means we add money. Um so for invest um we last year we had 50 60 and we doubled that amount. Um and in for us we had 250 and we put it up to 260 uh which um also we can adjust as we get
in May, April and May we we get kids in and then we see how many kids we have um because there is an attendance um requirement. So, you have to have 75% of your kids um attend. And then, um uh on top of that, um this year we're doing something a little different in that we're at the end of summer school, we always had big incentives. Um, and this year we're going to throughout the summer, um, we've planned some exciting field trips for kids to go on if they're attending during the week. We have three for the junior high and two for the elementary. Elementary kids tend to come um with things at the end as well, books and some other things, but not that big um, incentive. Um I'm sure that I forgotten something
because um I like I said my brain wasn't there. I was I was crunching numbers over here. Um we have been awarded both I think it's 520 for our elementary secondary and um 151 250 for >> investment. Yeah. >> So pretty exciting stuff and we have been um we have been approved. May I mention kindergarten? >> I'll do that. Okay. summer school. >> Okay. >> I'm gonna let you go. >> Can I just ask a question? You said >> Sure. >> Um 75% So 75% of the students enrolled in summer school have to >> So there's two. There's daily attendance. So if kids come one time, they count. And so we have to have um 75% come, but we also have to have at least 75% of our kids attend 75% of the time, if
that makes sense, >> in order for them to get their their >> additional money. Yeah. We we get uh 70% of it up front and then we get another 30% if we do >> if we meet those goals. >> After we meet the goals. Yeah. United Way like frontloads you with >> most of the grant and then they give you the rest once you hit your metric. >> Yeah. >> Okay. Got you. >> And I apologize not for being in that mindset. >> No, I just wanted to be clear of what you >> uh transport contract. >> Yeah, this is our yearly contract that we have for our buses. Um for the cameras that are on the buses that you have to pay. We talked about it earlier this year when we added the other
one on. Uh pretty good. Um we caught the fact that they were ready to bill us for um items that we didn't have. I think I've shared with you that every piece of mail and every piece of bill is coming through my office um as at this time just a organizational thing that we've been doing and we were able to have uh Jamie reach out to them and they're like absolutely that was a mistake. So, um, we were glad to kind of get that extra cost off, but this is just for our buses for a yearly fee. >> Okay. Audit request. >> Do parents have access to these cameras? >> Yes. >> That's what I thought. >> Not the cameras, but where the bus is moving. >> Okay. >> So, they can't see what's happening
on the bus. >> On the bus. >> Yes. So, they can see when it's coming. Yes. >> Okay. The next is the audit proposal and I apologize for getting this to you at the table. I hope hope you had a chance to review it, but um we uh got some audit uh information from some other school district and we copied their bid proposal as a way to work smarter not harder. Um and so uh also at the last minute we had some information we had to take off of it. So this would uh go so that this would be presented to you on January 26th. Um this we will receive uh bid proposals until Friday, February 27th with an interview at the decision of the district on March 11th through March 12th and a recommendation
made to the board of education on March 16th. Uh the timelines that we have placed in here are that um that we're our hope would be that they would pro provide this work around September 11th through the 22nd with approval at the mon Monday October 19th 2026 board meeting um as well. Um and so making sure that we're hitting those time frames that are placed in here unless you know we all agreed and that they would start in the June time frame on some of the the background information. Um, I think we've hit everything that needs to uh other than I can just see right now the audit proposal form number 12. Jamie says list fees for each of the five years. Oh, no, that's right, too. From 2023 24 to fiscal year 2728 for
the single. That needs to be changed to 2526 and count the years up. We do have a mistake on page seven. Anybody have questions? [Music] This is very organized. >> I have one quick question. So, we're we're sending out bids for a new audit company. >> Yes, we have to. It's our five years is up. So, this will be our third time some of you to do that. Like it it's 5 years and >> Okay. Cuz didn't we just hire that other one? >> We did, but the other company would have still been with us up until this year had we not had the other situations occurring. >> Okay. Okay, next is food service requests for proposal RFP. >> Yep, this is justformational. I did try to get this to you um in my learning
process of the class that I had to take over winter break so that I could do the proposal for the district um the RFP class. Um I emailed to the state uh actually the ISD Lori Atkins who's in charge of food service uh gave me a step-by-step process that needs to be done for the food service bid. Um, we don't write the bid. The bid paperwork comes from the state. So, I had to take a class first and was really proud when she said, "You have to take a class first." And I said, "It's done. Here's my certificate." They haven't released the state bids yet. And so, we have to wait till the state releases it. The hope is that it'll be released in February. And then hopefully, depending on when it comes in, I'll
be able to bring that request for proposal to you at the February uh meeting. Um, that would be my hope. We'll see what time they do it. It might have to be March again based upon when they release the fifth paperwork. >> Okay. The single auditform informationational I'd like to get a copy. It was 19 pages so I didn't copy it but >> it would be nice. >> You would like a copy of it? >> Copy. >> Okay. We can print that for >> I'll get it Wednesday. >> Okay. >> I'm coming Wednesday. >> You can we'll get the rest of them to them at the board meeting. Would everybody like a copy of the single audit? No. No. Who's a yes? >> That was a yes. >> I had one. >> You already printed
it. It's 19 pages. I was cheap because I copy all of this. And >> Heidi, do you want >> I have it. >> Huh? >> I have it. >> Okay. You printed it already? >> Yeah. >> Well, Be will get that for you on Wednesday. >> Right. So the single audit um is essentially um how federal grants uh funds are spent and whether federal rules were followed. Um I know that part of the questions that were asked was focused on page five. What page five is essentially a reconciliation to the SIPA. It's on page two and three. Um the 6 million is the revenue that was received. um the 12 million or I'm sorry, excuse me, 12,000 that was reduced. That is a specific state grant. Um some revenues flow through um the federal systems,
but it's legally state funded. Therefore, um we're we have to uh remove that um because it's not technically federal. Um the 480,000 that you see um this the district spent federal funds during the year but reimbursement was not was not received before fiscal year ending. Um it's not a compliance issue. It's just some grants run from um 101 to 9:30. So it's essentially the timing of it. The 1.8 million for uh 2024. So this represents um some of the work that was performed in 2024 but the reimbursement um occurred in the 2025. So this is also um deducted so it's not double counted. So um and I didn't know if you had any other additional questions. >> So this is forformational not approval purposes. Uh it's just to communicate with you as you requested when
the single audit was complete. So then our federal awards are kind of 5 million, >> correct? For the 20 um 425. >> Okay. >> Yes. >> Anybody else? >> Okay. Budget update. >> I'm not sure if this is the trial balance piece. >> Um this is the community coalition budget to actual is the first, then the DFC, then the trial budget. So, all three >> thought maybe that might have been it, but I wasn't for sure. All right. So, um with I'm sorry, let me pull the questions. So, there was a question in regards to the community coalition um and uh wondering if we had overspent by the 15,000 um and then wondering about the 8,000 surplus. Um and essentially just wanting to explain >> interrupt you for a second. >> Uh I thought these
were the same thing. They're not the same thing. >> No, one is um one is the DFC grant drug free um coalition and then the other one is the Hazel Park the alliance coalition. So >> I saw drug free on both of them. >> Yeah. Well, because well the coalition is one is the local grant that we get through the state and the other one is the federal grant that we get the 125,000 a year. So there are two different items coming in and expenses out in reimbursement time frames. >> Okay. So so it's two separate organizations though. So two separate funding streams funding streams for the >> Okay. So I did have it right. It is all go to the same place. >> Yeah. It's all funding. Yep. >> Mhm. Okay. Okay. But this
is just showing you and capturing um the amount that's been received expenses. Um so if you have any additional questions to that um but it is identified if you see um where it says restricted from federal government that's showing you that it's a federal um grant and then private source donations is from the alliance. >> Okay. So then the question was since it goes to the same organization is it so one we have a negative $15,000 and the other one we have positive right and that essentially with both of them is also on the timing. Um, so for instance with the coalition, the private source one, um, like we were just approved for, well, the email just came out that November's financials will be deposited. Um, so they're behind probably a month or two. Um,
DFC, uh, the federal one is every 3 months. So you're always going to see probably, you know, be in the hole until the end of end of the year. I don't like to say in the hole, but >> so these are reimburseable. We have to spend the money before they give it back to us. So the negative isn't necessarily a negative. It's just that those haven't been build for and those funds haven't been drawn down yet. >> Correct. >> Okay. >> Which is why I know we are requesting this on an ongoing basis, but really having an end of the year reconciliation is probably the best way to go about this. Um because of this is really in the weeds kind of things that we deal with. Um so it's always going to continue to
have these questions for you, Debbie. Well, no. I just um I knew that that was the case, but but I wondered if since it's going to the same organization, would this 8,000 offset the 15? But it wouldn't because we're getting different funding >> and they have to be spent on different items. >> That's why that was the thing. They they can't be spent. They're specific items. >> Yeah, they're both grants just like we fund other things with grants and we have to follow what we write for. That's the same situation. >> Okay. Next is uh syncing fund updates >> trial balance >> which is beautiful with trial balance. There were some questions about the trial balance. >> Oh, okay. >> Just wondering what it is. >> Oh, so the trial balance is essentially just um
a snapshot of our finances. Um basically where all the money's going um what we're receiving um revenues uh against the expenses and it's ever changing. So just because you know what you received is probably different than what we've already posted since then and any and everything is ever changing depending on if we get new grants and anything like that. >> So this is just a list of all of the funds because it was I didn't print all this because this was a lot of pages but I did look at it pages. >> Yes, I did look at them and I only printed one >> and that's that's per accounting line. So next year we're hoping to have it a lot cleaner, easier to look at um to condense a lot of that which is what
we're working on. But yes, perfect. >> And we continue to try to find some reports that you guys feel comfortable with. So if this is confusing, we can try to change it in a different manner uh for all of you as well. Um again, this is some pretty intense detail items for some of you. For some of you, you're used to accounting principles. Um but if if this format works, let us know if you'd like to see something a little different. We'll keep tweaking those reports to benefit you because they're it's not really for us, it's for you. So I just have a then so when we go to um what are those called? The >> cost centers. >> Thank you. Cost centers. >> Will these all be broken up by cost center then? Would
that be how >> and it would be clear that way? >> You can do it by cost centers. You still could pull a report such as this as well. You know this is just >> yeah this specific report won't go away. This is just part of me. So what we're doing as far as we've done so we were creating new ones. So, we will have some that will be more condensed. I don't know exactly what it's going to look like yet until everything is put in place, but it should definitely be easier. >> But condensed probably won't be 235 pages. >> Yeah, >> but you guys were line items. >> No. And I did and I and I looking through it, but I only printed I'm saying I only printed the one because it was
a lot of pages. That's okay. >> Okay. >> Careful what you wish for. >> Yeah, >> you might just get it. Yes. The next one's the scing fund tracking form. >> This is beautiful. >> We're going to do the same thing for our food service fund. We met today to talk about some different items that the food service needs to purchase. Some tables, some equipment, a new freezer at the high school. So, we'll do the same thing so that you can kind of see what our projected balance would be and the things that we're doing. Um, I think this is the first time we've been able to do something in this manner. Um, so it's really positive and a really great great way for you guys to also see where those dollars are going. >>
And my question here was, "Love, love, love, love this report." >> I know. And I said, "Thank you." >> Great. >> Yes. You don't have a question? >> Not on this one. I I said I love love love the report. >> Next is school municipal services report from Don Soie. I I couldn't It's so tiny. I >> It's not only Don, it's also Terry Lee. So I that's really just you asked for quarterly reporting on what was being done with Mr. Soie and what also was being done with Terry Lee and so um it shows all the progress that we've made um on the items that we're working on and we certainly Beth can print that off for you guys as well. That's really the only way to get it in there. You'd have to
kind of make it bigger. You click on it and make you know. >> Yeah. Can you Did you say you were going to print this off for us? I said for Bev, but if you'd like it as well, we can print it for you. >> I I can't read this. >> Okay, we'll get a we'll get a long one done for you guys. >> Does everyone want to print it off? >> I do. >> April does not. >> Nate does not either. >> I just >> Monica does not either. Okay. >> Young, hip, computer literate. >> No, I just have really good eyes. >> He just wants to show it off. >> Whatever. Whatever, Mr. Becker. Trusty Becker. >> The backseat of my car can't take another piece of favor. >> You know what? I
thought I I guess I wasn't clear cuz I wanted to see the report that goes to Treasury cuz I don't know what that was. >> Yes. And I discussed that um in my update that that had to be redone. Um what happened is that uh it was sent to them with instead of doing monthly amounts, it was sent with um running amounts which made it off. And so she's having to start over and relook at that. But we did have our treasury meeting this week and that was one of the conversations. I asked about the uh loans that or the grants that were given last year. They don't know yet if they're going to get those. Um we also they sent me uh which was really nice. Um I went back right and showed you
where we were in uh for the last 25 years in deficit. They can go back a little bit further as well. So the first time we got out of deficit was 2017. going back I had I think till 2005 maybe they are able to go back even further and show it broken down everywhere. So we were really enjoying that conversation with them because they even had how many FTE we had um how many student counts we had. Uh so it was a great thing that the treasury gave to us. Um so it's very helpful. All right so next is check registering. I just have a couple questions and they're very minor. Um, page six, law office of Dennis for 38031. If you remember, this is that conversation about that ongoing lawsuit. I've given that to
you privately before. It really is uh one that uh you've been into way before probably any of us were on the board. And I believe actually it's about um some tax override items. I can give you that piece again. We pay that on an ongoing basis. >> Okay. And then um I noticed that the credit card was late on Tony's Hardware, but there was a big Tony's Hardware payment. Not a big 1,800 on um our truck registry. So, did we start an account with them? >> What do you What do you mean that you said it was late? >> Oh, light. Oh, I thought you said late. >> Sorry. It's automatically posted. Um, so yes, we we switched over to them sending us an invoice to have better tracking. Um, and to make sure that
everything is aligning correctly because I know that we've been told there's been times when people go in, use our EIN number and get whatnot. So, they've sent um us invoicing to make it more streamlined. >> And we're not using the credit card at Tony's anymore. >> Correct. I mean, we are last unless it's for last minute >> things, but essentially Tony emails us their invoices now. >> And this just started. >> And then Jamie sat down with Greg and had Greg take a look and make sure that each of the things were actually things that were supposed to be ordered for the school district so we can see the detail much better. >> Yeah. >> I just curious. >> We like to shop locally if possible. Great. That's it. >> Yeah. >> Oh, no. I
think >> I had a couple >> had a question that we answered in here. One was about the Nike.com. The Nike.com were for the dance team. >> Did you just call Nike Nike? >> Nike.com. >> And uh so they didn't take POS and so actually we have to return them. So it's for the dance competition and paid for with um activity account dollars. And then the other item was for the Thespian Festival um that you guys approved at the Hyatt House in Lancing. And uh that was for the drama club. >> It was just really confusing cuz it said check in and check out the same day and it said nine. >> I don't know why the invoicing um why it had that date, but if you look at this specific um receipt that was
given, it shows the 11th of the >> Okay. It said nine nine nights. And I thought, okay, well, I think it's probably nine rooms for one night. Yeah, we were only charged for the time that they were there for that weekend. >> The the other item was um the coalition's coffee and bark and yes um it is in the grant that uh part of that is building relationships with the community and such and so that's able to be paid for out of the grant. [Music] Is that it? Mhm. Okay. Then we are up to other 2026 board of education meeting dates. Anybody have any issues? >> I only have one and it's on September 21st. I believe it's a committee bill one. Um I will not be in town that day. Not saying you guys
can't have me. I >> You mean the 24th? >> Nope. September 21st. >> 21st. Committee. >> Oh, I see it. Okay. The committee the health. We we could if the board would like do the committee of the whole on the 14th and not have a workshop in September. >> It's okay with me. >> That's fine. It's okay with me. >> On the 14th, that would work because I'll be gone the 16th to the 23rd. So, that'd be perfect. >> Okay. So, >> Jamie will make adjustments and we won't do a workshop and we'll make sure so that as many people can know ahead of time. Are there any other uh conflicts you see? >> I already asked. >> Nope. >> Time is right. So, >> works for me. >> For once, we will not have
a meeting on my birthday. So, that's good. >> So, we're not having a um committee of a whole in July. >> No. >> Okay. >> Unless you would like to. >> No, I think we're good with just regular meeting. Jesse asking. >> Okay. >> Thank you. >> Um invest uh my kids. So um we were asked to bring information about invest uh in Michigan kids and as you know this is a propo proposal petition that would change the m Michigan constitution and it would establish an additional 5% income tax sir charge on taxable income above a million dollars for joint filers and half a million for single filers. Hazel Park schools would again benefit from this situation. Um, and so I believe that trustee beaten asked us to bring this to the table for possibly
having a support resolution. And so I'll turn that over to whoever would like to speak to that. >> Do you want me to? >> Yes. >> Yeah. Um, I I think it would be a great resolution for us to put forth. Um, especially this is a ballot initiative. Um, it is not actually yet. it. There's still petitions out that are hoping to get this initiative onto a ballot. Um, but would level the playing field for school districts like Hazel Park that have a lower income tax base. Um, and that fits both ways. It's either smaller cities um or townships that have less people paying taxes or people that have a lower taxable income. Uh, what this does is it is a search charge on the rich. Um it is unlikely that any of our neighbors
would be affected by it in terms of hitting their pocketbooks um but would provide um more equitable funding to cities that do not necessarily benefit from having highinccome earners in their tax base. Uh the constitution would be amended, but this does require that all of the funds that were collected would be paid to K12 schools. Um K12 public schools and public charters, not private schools and or private charters. Um there are some sample re resolutions that I'm happy to send. There have been a number of Oakland County school districts that have supported a resolution. Oakland schools has and the state board of education has as well. And I I um think we talked about this on Saturday when I talk about when you go back and look historically something that I couldn't have done when
I first came, but now you can see the piece. Hazel Park is not funded correctly. You hear this by the city saying municipal finance is broken. Well, school funding is broken as it relates to school districts such as Hazel Park and we are not funded equitably to support our students, which is why you struggle to get a higher fund balance. It has not happened here. it's it's part of that funding structure and we have some of the most needy kids. Um and so this again this and any other tax increases that um bring more equitable funding into Hazel Park I would highly recommend that you consider to support and help pay our teachers appropriately as well as make sure that we can get support services to kids. by um at one of the JSRP meetings
someone came and talked about this um is very interesting the percentage of people this would actually affect was I can't remember the exact numbers I'm sure have them written down someplace but it's less than 10% of the population would actually have to pay this but it would generate a ton of money um because I guess the people that this would affect are really rich now so we weren't allowed to sign the petition at the thing at open schools, but I there's a lot of great discussion there of why people would want it or wouldn't want it and they were saying, "Well, can't they just change something else?" And and of course they can, but they won't. >> Yeah, you you need to get every piece of funding you could get was basically the premise. So
I think considering that the current trend at the state legislation or at the state legislature is even to um introduce some initiatives that would require less people to pay taxes towards public education. Um anything that is going to invest in the community would be a much preferred change over what is out there now. >> So could you April or Dr. Will Cox bring the resolution to the meeting? >> Yeah. >> Um I do have a copy of Oakland schools. I It would have to be changed obviously because it's the IST, but if you want me to email it so that we can sort of we always are pleased to work smarter not harder and copy what somebody else has done. >> Okay. >> Yeah. Perfect. Thank you. >> All right. >> Actually, I should say
I don't think it's from Oakland schools. The one that I have is from the state board, but same thing. >> Even better. >> Yeah. >> All right. Good. Perfect. Uh, next is Hopskip Drive contract. I'm >> gonna let Miss Gresley have that conversation. >> Yeah. So, um, this is I think we're moving into our third year with Hopskip Drive. Um, the services they give our students is um, by far uh, the safest and um, best service that I've ever seen. Um this year we did not have a cost increase and in fact they um had a cancellation of eight hours. So if they canled 8 hours we would have to pay for that ride. They moved it down to two and are considering moving it to 30 minutes or an hour. That benefits us. Um
additionally they lengthened the wait time for drivers. So instead of drivers waiting 10 minutes and then us getting charged and cancelling the ride, it's an additional it's 15 minutes. So they've they've um made some changes. I've met with them a few times and let them know that we definitely need to make some changes and make sure that when they're writers, one of the things that we noticed um and I have to thank the Harding Hardy for that who really keeps track of this very very well. But um we asked when we met with them last time, what about their drivers when they're 15 minutes late? Are we going to get that money back and they're taking it back and um discussing it because you know fair is fair. Um but this I'm bringing this forward.
It's like I said, there's not changes really to from last year to this year. You'll also be happy to know that um we have cut our ride costs um at least in half. um based on we are now doing um first of all hop skip drive does ride sharing so if another district who we give RI if the kids go to school at Hazel Park and but they live in another district because they're unhoused um we share that cost it's 50/50 in the past I don't know uh before me I don't know if if we ever went after that cost we go after that cost um we got well over $100,000 from Detroit last year um because we hounded them. Um and um we if they if they also use hop skip drive, they will
split the cost. We don't even see the other 50%. So, um if the other district is willing to go ahead and just split that cost, there are still some districts that want us to invoice them and and do that and then we get the check. So, it's a little bit longer, but most districts that use Hopskip Drive actually just allow Hopskip Drive to send us half the bill and them half the bill. So, we've gotten a lot of benefits. The other benefit of Hop Skip Drive is we have live. We know where the cars are. We know who the drivers are. The parents know who the the the drivers are. They see real time. They have access to their kids, the drivers. we have access to the kids, the drivers. It is so much safer
than um other things that we've used. So, um if you have any questions, I'm happy to answer. >> I have a really quick question. Um you how many Well, I guess two questions. How many services are there? Are there several services or is there a few? I would not think that there'd be a plethora of those services from Hopskip Drive. >> No, from like other companies. other companies. There are not many. I have been looking into them because we we always want to get the the best bang for our buck. Um I have looked into them. The the one that we have used in the past um and I was a principal at the time. We would lose kids till 6:00 at night and we couldn't get a hold of drivers. We couldn't get a
hold of them and um many parents were very upset. We have, you know, the the anything that comes up with hops, skip drive, we immediately address. We have a person we can talk to. They address it. They charge it back to us so that we're not paying for a ride. The only person that okays a ride is really Thelma. Um so that we don't have parents calling and saying, "Hey, I need a ride to a concert or something." Um so, >> no, I was just curious because it doesn't I don't think there'd be a lot of companies out there that would >> There aren't a lot. And and I like I said, I have been I I have looked there's there was one other company that that it it was kind of the same. Um
but I am always looking out there to see if there's any other places that um offer the same services. >> So on my second question, which was really my only question before, um do a lot of districts in this area use Hopk Drive? >> Yes, >> that's why they use one. >> Yes, most most of them do. >> Okay. Um there are a few that like to um like they'll do the morning bus and then we do the afternoon ride, that kind of thing, but very few. Very few. >> Okay. >> I have two. Who sets who sets it all up to keep track of the kids and get a little Hardy. She is a >> She's a wizard. >> Wonderful. One and she gets, >> you know, they they call her at 5 in
the morning. They call her at 11 at night and she picks up the phone each and every time that woman is worth >> a ton. >> Her weight and gold. >> Absolutely. Because she she really and and then she double checks and makes sure that you know if a parent has a complaint that we follow up on that and she is um really on it. In fact, the the the big wigs from Hopskip Drive came to meet Thelma because they're she makes suggestions and she was the one that brought up, "Hey, what what about your drivers? Because if your drivers are late, our kids don't get breakfast." And they said, "Oh, yeah, we're going to we're going to take care of that." So, >> the other the other piece, um, she also keeps track. So,
we've had some individuals that are no longer homeless. You have to allow them to go at the end of the year. she has them on the list and regul know knows what she needs to do to because if at the end of the year you are no longer homeless, you do not get to stay on this forever, right? It is really meant for those that are doubled up or have lost their home. >> And we go and do home visits to verify and make sure and because there are, you know, there are folks that that don't understand the rules. We really try to follow those rules. Um, and we give other suggestions when um when they're they're homeed, they they have a house and a place to stay and it's adequate and stable. >> My
other question, how does uh Title One uh funds be able to be used? >> Well, in the Title One grant, you have to give a certain percentage to support um our Mckin Vento students. And so almost since I've been here, there's been about $40 to $50,000 transportation costs that are done at the district level that offsets that cost. So it's just a percentage of that title one that does that. >> I was just curious because title one can covers a lot of different things like that and I >> not not so much anymore. Just a president hint just a small portion can be done for that. majority of that has to be focused on your my kip goals that we have that center around behavior uh our academics for our reading and our math. So
really our MTSS program and it really just covers MTSS and then parent involvement you have to put a percentage of parent involvement into title one. >> All right, thank you. >> Uh metal detectors junior high. we bring uh to to continue to improve safety and I think especially when we look at what just happened recently near us. We are requesting a metal detector at the junior high. It would be similar to the ones that are at the high school to move this on. It would be used for after school events as well. Um and that's it. We will also probably in the next month be bringing a replacement for Edison as it's broken. And uh then finally today the metal detector at Advantage was not to the floor as well in an altercation. And so
we will have to check and make sure that's working properly as well. >> If we wait, would we get a cheaper price if we vibrate at the same time? >> No, unfortunately it's not. It's kind of like buying an Apple phone. Doesn't matter how many you buy, you don't get a discount. So advantage we will probably >> have to double check the one at Edison and we're working to put that in the center budget um as well and this could be used for 31 AAA dollars it's real appropriate use because that that can't be done on supplanting and so new purchases for safety is real appropriate use for that. >> So would the center fund pay for the other two at the >> we're working on it. Okay. >> No, not the other two. >>
Advantage is not center fund. It's general fund. >> Okay. for Edison >> at Edison. Yeah. >> Okay. >> All right. Is it yonder po pouches? >> Dr. Dmond. >> That's right. So, uh I think probably all of you recall the young lady who spoke from advantage about a month, two months ago about the vast difference made at Advantage without having access to the cell phones during the school day. And while there certainly was a transition and there was a lot to get used to, um when we were in a meeting the other day, Mr. Smith did acknowledge there's logistics and things like that, but he said it is so worth it to have a device-free environment. It has really been foundational there. So, we had actually spoken to our secondary administrators a couple of months
ago about looking at this and they are supportive of this and would like to move forward and so we are going to be bringing this proposal again that we're meeting to move this forward in all of our buildings. Um we just think you know again this is 31A funded and as you know that is the same grant that uh Dr. Wash just spoke about it was really around safety and well-being and I think all of us are very aware of what access to cell phones does during the day in terms of the fact that you know many things that go on in the school day are rooted in someone texted somebody something someone looked at a picture someone's on social media. So we really believe that this is the next step in increasing safety and
also in helping our students be fully engaged in the learning environment and get all they can out of the school environment. So we will bring this forward for the two schools. This is including the inclusive junior high. It would be $29,610 because we are pulling both of the schools in there. We actually have a 15% reduction in cost because we have both of the schools. And one of the things that I wanted to make sure I explained a little bit, uh, if you look at what it's including, it says 8 to 10 medical pouches. We acknowledge there are some of our students, for example, a student that may be diabetic that has, they call them PDAs that control their pumps. And so for those students, of course, they don't have a pouch that's locked. We
can't do that. It's a medical device. But that's just for specific students who need that accommodation. So, we wanted to make sure that we explain that to you because it does like what's this medical piece? It's essentially a pouch and it makes it so the students can't it doesn't work the same thing. It doesn't ring, but they have access to it. They don't have to use one of the the docking stations to unlock it. They can just get into it as they well need to be. >> The pouches stay in the school, right? The pouches stay. >> So, here's this. You can see I have the yonder pouch 15D that's sitting over here. And then there is a wall piece that you put them on and then children will be held responsible for reimbursing if
something happens. I want to mention a couple things just from events today. Today was in a disciplinary hearing where girls got into a fight. They texted each other during the day and I said to them, "Well, this won't be an issue in the p in the next because you won't be able to text each other to meet in the bathroom and have a 30-second fight." Um, and I think those are the kind of things that will take away. I also was meeting with high school teachers this afternoon and they and I we were talking about some events and they're like, "Thank goodness. Thank you so much for getting rid of the cell phones." Um, >> so the kids take those with them, put their phone to the day and they have the phone with them.
Correct. But it's in the fabric. >> And I did have some parents of any >> that like this unlocks it. >> Yes, that's unlocks it. So I did have a parent, don't try to unlock it. >> This is beaten. because that's what the kids are doing, right? If she starts hitting them on the desk, then we know she's just trying to see if she can. There is fact ways to open them, but then that's causing damage to the pouch. Additionally, um I had a parent say, "I'm not sure I like that, right? I'm not like that. My kid," and I tried to explain that if you have a a shooter in your building, all of that is done within 5 minutes. The last thing you want kids to do is to be texting you where
they are. your parents come up to the building and your parents get shot because you have an active shooter. They are to meet you at another place, they also are not to be texting the first 15 to 20 minutes of an event. And there's not been events that aren't over by that time frame. So, if there was a larger event and we were out, we can have a pod that we're taking with us to uh undo those as well. But just really want you to think about um the importance of safety is now and what this stops inside the classrooms. >> So they can't even open them at lunch. They can't even be on their phones at lunch or nothing. >> And we will be bringing to you a point of sale system for the
food service program so that parents can pay in a different manner because they've been paying by phones. But we wouldn't be doing that anymore. Like phones are off limits. And so um just just to kind of backdrop this, this company is very used to working with schools has worked with schools all over the probably the country and outside of the country. And so what we will do is certainly if the board approves this to move forward, then we will haveformational nights for families and a lot of information about what it is, how it works, and why we're doing this. So our families and parents are wellversed about what this is, why we're doing it, and how it works. And I have to say, you know, that young lady who came up and spoke and talked
about how she can engage and she didn't have to worry about her phone, that was selling it for me right there that the young lady, a student, was acknowledging that not having that device right in her hands really made a difference for her. >> So, are we looking to implement this before >> March 1st. >> So, yes, March 1st is the date that I've given to the two principles, Dr. much that hopefully that if they're ordered in January, we start informational nights with families. They're pretty quick on the turnaround. We spend the month of February informing kids and all of that and then March 1st is our hopeful start date. >> They literally if it gets approved, it's three or four three to five days. They're fast. >> But we want parents to be fully
informed and have opportunities to come in and have that information. I can tell you as a substitute teacher, I wish we would have had those because that was probably the number one fight is when the kids using their phone in class and you have to say, "Give me your phone." And they're like, "I'm not giving you my phone. You can't have my phone. My mom paid for their phone." They're going to have alternative ways. But for the most part, students are going to comply and put them away. And I think they're going to feel a little bit better during the day. But I can tell you that at the afternoons when you walk down to Advantage, their faces are right in their phone before they can get out catching up to see what happened during
the day. So, you know, kids have ways to try to get around things. And what they forget is that we were all kids, too. And we understand and we think through that process as well. >> Can they message each other on their Chromebooks? >> You can message each other on your Chromebooks as well, unless we turn off the chat feature into the Gmail. And we're still allowing students to take the Chromebooks home, >> only the high school. >> Why is that? >> Uh because the junior high had incredible amount of breakage that was occurring and they weren't bringing them back. >> I um was talking to a student who goes to Warren M and their high school no longer takes computers home either. >> Yeah. >> And she's as she's saying this, she's saying her
own personal laptop. She stepped on and broke. I'm thinking, >> well, I think the difference is many times when I'm in a meeting and a child's going online or they're home for a little bit, I always talk about the access and oftent times they don't have computers in their home to access and we know that at high school it lifts it up. Uh, most everything is online access. Um, and they try to use their cell phones instead. When you say if you have a computer, they're using their cell phones and we know to really do work to type and do the things they really need to have a computer in front of us. Maybe it'll change over the years, but right now we're still sending the high schools home. And if I remember, we brought
that to you guys when we stopped doing the junior high. >> Yeah, I know. We stopped doing the junior high. I was just curious if we stopped the high school because we don't do homework anymore, do we? We haven't done homework in a while. >> How about if if you don't finish your work, then you've got to do it >> or if you're out sick, you've got to access it as well. >> Got it. >> All right. It sounds like a good good thing coming. Uh strategic plan update. >> Just an update. We do have dates scheduled. Um I will be giving him the school districts. Uh that was due right before the holidays, but the treasury gave me some more school districts to compare as well as new metrics did so that I wasn't
picking them out. Um a survey went out to the community. So if you see it, it's open until March. Please give us some ideas on the strategic items that you'd like and we'll continue to push it out to parents and to our staff members as well. Uh and then meetings will be posted shortly for everyone to attend and join. >> I did see Nate shared that. That was awesome. I can't share anymore on my Facebook, but he shared it and it's important. I hope people fill that out. >> I do as well. When I chat with them, I'll ask if people have started. Does that have a close date or is that just open for the Okay. I didn't remember if >> we share it on Facebook. >> Yes, we did. >> I didn't look.
Is it on our school page? >> I don't know if it's on our school page, but it was put on Facebook >> cuz that guy said to advertise it everywhere. Put it on whatever. When we spoke to him, >> he put it on social media. We sent it to our families. I've also asked to send it to the city to see if they will put it on their >> weekly update. >> Yeah. I'm thinking there could be a lot of citizens not on Facebook. the older generation. Some of those people may not be on there to see that. But >> and if we get our February book booklet out, magazine out, we could have it in there as well as they could scan the code and do it as well. >> All right. Next is
this uh seclusion and restraint report. >> Summer school. >> Nope. Summer. >> Summer school. >> So this is really part of the kind of conversation that Miss Gresley started. This is the yearly proposal that we're going forward to make sure that our summer school is organized and we get this up and running um including staffing and getting our the information out to our families. Uh at this point uh between the work that myself and Miss Gresley do is a little bit of a welloiled machine. We have high participation in our summer school. It's pretty organized. Uh we've got um opportunities for our preschoolers, our four-year-olds. We've got opportunities for kindergarten through 10 through summer discovery and then we have our traditional credit recovery or diploma enhancement. So, this is really just bringing this proposal uh
to hopefully get this approved that in January so we can put things in motion. I wanted to make sure I pointed out um some information that I listed for our kindergarten. As you know, we are in the middle of a potential uh settling of a contract with the staff at the preschool. And instead of guessing at what amount that might be in their contract, I just left what we had the previous year. And then once that information is settled, and I don't know that that will necessarily be settled right now or not, when it will be, we would update as needed. So that's why there's that uh note there. You will also note there's a little bit of a reduction compared to last year and our secondary. That's twofold. One, as Miss Gresley mentioned, we
can now fold our 9th and 10th graders into summer discovery grant. So the amount that we got this year, $520,000, was about I think Miss Gresley $70,000 more than last year. And then last in the previous years, we always uh attempted to run some elective courses. And quite honestly over the past two or three years we really have not had a lot of participation in that. So when we're thinking about making sure we're being financially smart last year the decision was to really focus on students with credit recovery needs or diploma enhancement. And so that reduced the amount overall. So that's why you're seeing a lower amount. Um early childhood and 9 through 12 would be out of the general fund. And then of course, as we mentioned, K through 10 would be from the
summer discovery grant, >> which is why those numbers don't add up because 520,000 is how much this summer discovery grant is. >> Uh I don't know. >> Like it's 414. >> So maybe >> did I make an It was probably me. I was going >> We'll check that. Thank you for that. Doesn't add up. >> It says contracts because I think it's zero and it says K4 indirect cost is zero. So I'm sure there's going to be more. And the grant you just said was 520,000. It just didn't add up to 55,000. >> Yes. So, we will make sure we update. Thank you for letting us know about that. >> That was my error. Sorry. >> It's not like I said, I'm assuming that those numbers are going to change because we have the grant
for 500,000. >> Yeah. >> Is the kindergarten readiness program it it's listed as students who attended Webster Early Childhood Center and will be entering kindergarten in the fall of 2025. like >> or I was gonna say who are entering kindergarten and fall of 2025. >> Well, and we could maybe say that in a different way. So, thank you for noting that. So what we try to do is first of all we like to use the data that we have to make sure we're really strategically thinking about how we support the students and or so probably an andor but we also want to make sure that if you have just newly enrolled in our school district so you're new to our school district you didn't go to Webster but you enrolled in July early July then
you can be part of that too. >> Okay that's >> I will make that update so it's clear. >> Okay. I would just there there are children that are in a GSRP program or who aren't in daycare just because you know the schedule or whatever of Webster doesn't fit their family's needs. So it would be nice for them to have a summer option if they could get it. >> Right. Thank you for that. It's very organized. Very nice. >> Um seclusion now and restraint. >> Yes. Uh unfortunately Dr. Capacian uh was not able to be here today, but we wanted to give you just an update on what was happening with seclusion and restraint. As you know, uh we were cited for having um too many seclusion and restraints and what we think that was
is a combination of things. One, we believe that there was being over reported um or some of that. And so we really went back and had Vicki Co, our attorney, work with all of our buildings to talk about what is seclusion and restraint. sorry when you report it. Um and then we also started utilizing UK Rue. We also have a little different way of making sure everybody's getting in and getting trained. Our pair of professionals got training before the school year started the last two years. So we've seen an incredible reduction and we uh the UK ru I think has also been an additional. We also have developed what's called KIP teams. And so there's individuals that are specifically um focused on that if there was a seclusion or restraint, they're the only ones that
are allowed to participate in that seclusion or restraint. And so if you are not on the KIP team, uh you should not. And so you hit your buttons and or you go ahead and um use your walkie-talkies and your social work psych uh what have you. I've seen emails where somebody hasn't completed and updated their training and they're removed from the KIP team. So, it's uh really um really proud of the work that Hazel Park has done and the work that they've done to continue to decrease this for our students when it's a very difficult time with student behaviors in schools. Any questions? >> So, this is a a total of the entire district, not one specific school. >> That's right. We would not do it by by school as that might be identifying uh
fura concerns. >> Okay. All right. Good. Athletics spring sports. >> Well, it is time >> coming out. >> And if you notice, there are tremendous amount of socks on this order. Not sure if you noticed that or not. Um but uh this is the order for spring sports. We hope it's all encompassing. Um I did meet with uh Mr. last week and we talked about the three-year plan and how we need to be looking at the rotations. There had not been one completed before and so he is uh going to be working on that. Hopefully when we update our three-year plans here in the next several months, he'll have one for you as well. Um historically long-term usually varsity uniforms are put down to JV JBs go down as well. So we'll see how that
works out. Um, but for right now, this is for our spring sports, um, for a total of $26,800. >> I just have a question because I know I've seen a lot of fundraising for like baseball and softball. Does that fundraiser reduce the cost to the district? >> No. These fundraisers are for extra things that they want above and beyond the basic items. what you've been presented with um are the things that they need uh in order to play the game. And so their fundraisers always go about. So like one year, right, there was a pitching machine and they fundraised for that or radar guns um or the girls want a a jersey that they get to keep or to take home with them. So then they're fundraising for that. I did have one other question
because I know last year this uh varsity boys volleyball was a club, but I do know that um a tremendous amount of people donated to give them jerseys. So, do they have to have different jerseys this year because they're a real sport or why do they need >> I wasn't here. I'll take a look at it. They've not been approved yet by you or by um the union to become a sport. Um and so we actually have that proposal on the table not only for um volleyball for boys but also for the weightlifting. And so uh those are two additional sports that we're requesting to be put on as a schedule B and then we would bring it back to all of you and then we would have to get uniforms from there. So because
I wasn't here I'm not sure where those uniforms are. I will find that information but it was taken out of the boys fundraising. Um, so then question, can this be removed for now since it's not a sport approved by us? >> Uh, yes. I'm sorry. >> I mean, I don't like >> if they're going to play, I definitely want them to have uniforms, but I do know they had uniforms last year in their club, but if it's not one of our sports that we've approved, I'm not sure that right now we should be paying for that or approving that. >> Well, we hope to have a turnaround fairly quickly to you here at the February meeting. So, we could remove volleyball to be brought back around if that approval happens. We don't have weightlifting on
there anyway, but I'm not quite sure. >> I also don't want to like interfere with their season. Like, I don't know when it starts or if it's starting this year or not. Like, I don't know. >> We'll I'll look into both what happened to them. >> And then also, uh, how long it's going to take us to get the union approval. >> Yep. Might show up in two weeks. >> Yeah. >> Thank you for those questions. Oh, >> can I go back to summer school for just a second? >> Sure. >> The comm is in the wrong place in the staffing. It's >> 413,000, not 41,000. >> Okay, that >> the comm is in the wrong place. >> Sorry. I readded. >> All right. Next is the Hazel Park Community Coalition statement. >> Yes. So,
uh we are bringing this uh to the board to um award Miss Williams the stipen performance stipen if you will that we promised her as she carried on. As a reminder, the coalition functions as an independent organization. So, um, we work, um, very closely with Miss Williams throughout the school year to make sure that she not only sets goals that we work through with the president and the vice president of the HPCC, and we monitor throughout that that throughout the school year, the earning of her performance bonus is contingent upon accomplishing all of those. So, I wanted to make sure that the board saw where she was right now. you can see all the goals that we set forth uh that was done through a a collaboration between myself, the president, and Miss Williams, as
well as feedback from the coalition. And so what we're asking is approval to move forward to pay her a portion of it. So, $2,500 now and then the remaining portion of that 7,725 which is the amount of 5,225 would be paid at the end of the school year by July 31st based on the grant pending accomplishment of these goals. >> Any questions? Just because >> Oh, go ahead. >> Ben Urban, community member. >> I just have a It has nothing to do with whether I'm is the How did you come up with the $2,500 versus the set? Like, why wouldn't you split it in half or is it based on how much she accomplished so far? >> To be honest with you, that's just the pattern that we did last year because we wanted to
make sure that we she had plenty of time to acco accomplish her goals and so >> Okay, we follow her. So, I guess it's a good question. You know, why not give her the 50/50 if it's been years? So, I certainly could take that back and have that conversation. >> I would remind that it's a board. They have their own separate board that does this. And the only thing that because she's directly employed by us, that that really is their operational piece to do. >> I was just curious. I was just curious >> and and just um as an awareness, I know that um we spoke about um the funds. I just want uh this board to know because I know we've talked a lot about those flow through grants. I meet with Shauna and
Crystal meets with Shauna on a bi-weekly bimonthly basis. We meet all the time to make sure that we are tracking every single thing that's spent that we have that ability to pay for with the grant. So there's a lot of oversight of that process along with the fact you saw Miss Williams come and speak with us. She is a very organized, very focused, very dedicated employee that really kind of self-monitors her own self and make sure that every single thing is tracked. So, I want you to know that there's a lot of conversation back and forth all the time with her to make sure that we are appropriately spending the grant and that everything that she's spending, including this, is well within the grant parameters and we monitor that closely. >> All right, we're set.
Thank you. uh building alarm repairs for web and United and I was in a meeting with Mr. Richardson. I became aware of the fact that web alarm has been broken for over a year and um and that United Oaks also had the similar one. This one in this building also right now is having that same issue as well. Um our alarm systems are aging and unfortunately that's causing some breakdown. Some of them you're going to be able to fix with a simple fix, but they're going to break again. We're probably should really think about as we're doing our building refresh and looking through this changes we might need to make. I know we wrote general fund, but this is really appropriate for sinking or 31A is it is a safety piece. Um, so right now
I don't have the quote for United Oaks. Just want to bring to your attention not only the aging of these, but that there's concerns that we have um that need to be taken care of. Webs is a little more expensive. Um, and we will, um, if I, Debbie asked me if it'll be more than 10,000. No, I don't think it will be, but I I hope by the next meeting will have what the cost of that alarm system was. >> Is this the fire alarms? >> Fire alarms and building alarms. Yes. >> So, is this getting fixed immediately? >> Uh, if you want to approve it immediately. >> I think we need to approve it immediately because we just put it out there that web doesn't have alarms for over a year. That's my opinion.
Okay. >> So, I'd like to make an a motion to approve um the repairs to web and United Oaks alarms with uh not to exceed $10,000. >> All right. Motion by Heidi and support by Monica and April was a tie. You guys were good. Well done. Um, any other discussion? I think this is a good idea. So, okay. Roll call, please. >> Yes. >> Becker, >> yes. >> I'm sorry. >> Yes. >> Uh, yes. Motion carries 6. Uh, information off. >> Here it comes. So, back in November, we came to you asking to go out for um 470, which is the -ate bids. We got the bids back last week. I was out a couple days um due to a funeral. So, we will be evaluating the bids this week and then bringing to you
at the next meeting our recommendation for which company to go with. >> So, January, >> yeah, the 26th. Yep. Thank you. >> You're welcome. >> Okay. >> All right. And number 13, weekly notes. >> Um I just added to this to the agenda because I was looking over there uh weekly notes that we get from Dr. Wilcox and a lot of it seemed like it was operational. I'm not sure that the board needs to know what the employees other than Dr. Wilcox is doing. just my personal opinion. I'm thinking that probably those should be coming off and not needed. I'm gonna disagree and I'm sorry, but I actually enjoy seeing what everyone else is doing cuz like I don't see Stephanie every day. I don't see like I like seeing that they're just giving us
a little update about what they're doing. >> It is incredibly operational. Um the things that I put in there are incredible operational. When we developed those notes to begin with, it was really about the fact that we are constantly questioning uh the amount of staff that's at central office and the things that we do. So, I asked them to step that back in because I I do think we need to realize the incredible amount of hours that um our central office administrator are putting in and the amount of tasks that we're asking them to do. As a small district, it's much different than a large district. I'm more than happy to say I talked this morning Dr. Dr. Domage and I were talking that maybe we do that every other week or maybe we do
it once a month, but I think it gives you a sample of what's happening. Um, but that's really up to you as a board. Listen, it takes me even when I just do my own 2 to three hours to do that because I funnel through what everybody else is doing. I really think about what you need to know and give you way more information. really want you to know the incredible work that our central office administrators are doing every day and outside of the hours that they're having to put in to do the work that we need to do. >> So, opinions are interesting. They're interesting. I I kind of agree like I just skim over those and our people are so busy and those reports are so long. I trust that they're working and
they're answering to you. Um cuz you're our employee. They don't have to write big reports to us. But if people like to read them, that's fine. I have the tend to read. Look at all this right here. And honestly, I just give them. >> Do you read my >> I read yours? >> No, I read. >> She's like, "No, I don't read that either. >> I read I read yours yet. >> I read them all. I like to see them, but at the same time, if it's, you know, time consuming and they have, you know, everyone has a lot of work on their plates as it is, if it's easier for them to focus on something else, I have no problem not getting that. >> There was a groan when I suggested we start doing
it again. >> I think you should continue talking to Dr. Delmet to figure it out. Maybe it's a month instead of every other week or something, >> like a summary once a month. Like they can just >> Yeah, summary once a month. That's what I was going to suggest. They don't have to give us every single detail, but um >> I I stopped doing that, but I think it's really um doing it and I we just started this week. I just I just want you to know from them and I'm happy to not do it. They would they would cheer probably tomorrow at 2:00 if I said that. Um but I may make them do it again anyway for me. Um I I just want you to know the hours that it takes to run
Hazel Park schools and that's not including our principles. I stopped our principles from having to do that. Um and and hoping that the coaching from central office is really addressing those items when we come back together as an executive council. But um I I I'm just really proud of the work that we're doing and they're pretty amazing. >> I um just wanted to circle back. Would it be worthwhile for us to vote on approving the repairs to the bleachers now so we can get a head start on this because we're in the midst of our winter sports season. So those bleachers are getting used regularly and you know the more they're already in bad shape apparently. So the more wear and tear they're going to get if we just throwing it out there because we
voted on the alarm and this is kind of a safety issue. >> I'm not opposed that. But when could they do it while the teams are using the gym? >> Sure. >> Oh okay. >> Yeah. They have to push it back anyways because >> as soon as you approve them and then put in. But I have to say to you that this again, how you have us bring things at $5,000 and what have you is incredibly operational and under the bidding process. And because you do that, it often slows down items, which is why usually you have a budget, you expect us to stay within the budget and we would report in a update in a different manner. So that is what we did 10 years ago because we were in deficit so badly. >>
But we had a quote of money, didn't we? >> Wasn't there a quoting here if you wanted to go back and approve them now? >> Right. That I think that we should I agree. I think that that's a a great suggestion. >> Um there's no meeting next week, so it wouldn't be approved for two weeks. So that makes a difference. >> And it is coming out of the scing fund. Yes, it can come out of the second. >> So, make a motion, Mr. P. >> I make a mot Oh, you want to do it? >> Yes. >> Uh, I make a motion to approve uh moving forward with the necessary repairs for the bleachers at a cost not to exceed 28,464 as presented. >> Support by Mrs. Ry. Any other discussion? Roll call, please. >>
Yes. Yes. >> Deon, >> Yes. Motion carries 6. We're at public comment. And we have Mrs. Grassley. >> She gave us a wonderful report. I'm moving to the resource. You didn't mean to come back a second time. >> Not a not a repeat. Okay. Um then it's up to our comments. Anybody? I just have one and I was just wondering since um we are off next week um is everyone here willing to do a basket again this year resource >> there and I will do it again obviously >> how much do you want awesome >> I don't remember we did last year >> I'll put you down for one >> do you remember >> I I do not 10 I think >> 10 of us would do what $70 >> I remember with 10 or
15815. >> I don't remember what >> I know Darren's not here to say yes, but if he doesn't want to do it, I'll do his. >> Okay. >> I I can think we did 15 last time. >> Okay. >> I think we did. >> Whatever. Whatever works for you. >> I know we did a good basket. Did we do a sled and all this? >> Yeah. Yeah. >> Okay. Anybody else? >> We're sending money, right? >> Sure. >> Okay. >> Thank you for doing that. >> Of course. >> Thanks for saying yes. >> Okay. Motion to adjurnn. >> I'll let you >> mostly just [Music] >> she's got her own. >> I looked at that and I was like in the wrong place.
