001a rely sherry yes it's starting right now okay good evening the purpose of this meeting is to hold a public hearing on our school calendar and the media is now open mr. Anki Thank You president Juby in light of the over nineteen pandemic and related planning that's taking place for next year we are holding this hearing because what we'd like to do is start the school year after Labor Day on September the 8th for the children that's one major change the second major change is that we also like to welcome you have to under this calendar do away with late arrival Thursdays to meet the hours requirements for the state of Ohio excuse me I'm looking at my calendar the 9th of September will be the first day with kids the reason for this is
002that there's there some unknowns that are happening in terms of what we're going to have to plan for and we want to make sure that we have our safety and sanitation guidelines in place as well as our school schedule and we'd like some extra time to plan for those things with that under under what we're drafting we believe that we will be able to meet exceed the our parents for the state of Ohio as well as offer instruction in person but that might may look a little different but we're not quite certain how yet that's the gist of it we quite frankly do not have a calendar per se to share tonight but under board policy we do have to have a calendar hearing at least 30 days before the board is to take action
003to adopt the new calendar as soon as we have a draft ready we will present that to the Board of Education for review oh sorry President Jimmy there is it that's that's the explanation okay does anybody have any questions for mr. Hankey didn't even a mr. Hankey just wanted to know what the new calendar will we be keeping the same vacation dates and stuff like that that's that's a really good question oh and I apologize let me back up president Juby if any members of their public have a question please email also look at a SL uka at gh bulldogs dot org during this hearing and he will relay the questions to us back to your question mrs. Daniels yes there will have to be modifications made to what we're looking at is shaving two
004days off of winter break so it wouldn't be a full two weeks would be like a week and a half also we'd have to go excuse me a bit later in June probably too it could be depending between June 4th and the 7th if not a little later than that excuse me the other the other issue is is that because we have to train teachers for online learning we are going to look at front-loading a lot of the professional development so for example you'd have maybe three or four teacher professional development days at the beginning of the year I am right now working with the ESC on developing some PD the a thing the two biggest changes in at least in my mind if I were a parent watching this is R is the obvious
005the movement to after Labor Day and also as far as a structure of the school week the the the ending of the late arrival Thursday's this is not obviously ideal we'd like to start an end what we proposed initially with the Board of Education before the pandemic hit but it will give us some time to get everything in order in order to have the school buildings be safe and have a structure in place for the kids we're gonna have this you guys have the new calendar finalized for our next meeting I hope to and I hope we have a draft done to share with the board members individually by the end of the week it's just you have to be Macallan or at least in my mind before you know it it doesn't take as
006much work but it takes a ton of work so we are in the middle of it we also have to be mindful of our two unions in terms of requirements a to share with them and also there are some things in their contracts that do affect the calendar so we have to talk to them about that okay so there are there are there are things you know other things that are implied we also want to get feedback and if it's not right now if I'm if I'm talking to some parents right now if it's not right now it's okay email me or mr. so Luca and or any of the board members obviously and and we'll try and I'll try to help you with that with that and we're trying to get some more of
007a parent input on that and that's one good reason we have this this type of hearing so we can get some of that mr. Hankey can I suggest that they just email you or Al or Sean because if they send another black you guys anyway that'd be fine just go ahead and and if you do get any though please just forward or not but email me myself or mr. Sulu ker mr. Patton and that'd be fine and and if you have input after this hearing that'd be fine too you know this is not again this is a situation where we're trying to adapt given the current circumstances were under do you foresee in the if after this school year the following year you foresee escaping the after Labor Day or back to the way it
008was before president Juby I know that's something that's you know on folks Minds I don't know I think that we'd have to look at of a variety of circumstances including the our vocational school that we work with no matter what our calendar is we will adapt to the vote to the CVCC calendar by offering transportation to the students even when we're not in session we've done that before where our calendars haven't matched up so that that's that that won't be an issue I think we'd have to look at it you know obviously there's there's been some movement in this state at various districts about you know the idea of the the after Labor Day start generally and I think you're what you're going to see is a number of districts go to this unfortunately it
009we don't have guidance from the state of the governor's office in terms of state regulation in terms of start of school they're saying it's a local decision mr. kit sir do you have any input from CVCC as far as their calendar for the following year no I we can't hear you I can't hear shishi log out and try and log back in yeah cuz she not muted now your knew it we still came here hold on she wrote in the check someone checked the chat please get her chat says is there a phone I can call in so or maybe she should try and log out and log back in verse I think so anything from the parents out no emails mr. Dubey looks like I love my bed Ashley they may be a little
010late he got you Ashley yeah I'm gonna take that one that's fine she'll probably get me later on just enjoy the wind [Laughter] well I can say as a parent I'm glad there's no more huh okay mr. Julie yes miss Bolton just emailed me yes if we could please recap what the proposed changes will be for next year mr. Hankey not a problem not a problem so for next year we're looking at starting the year on September 9th after Labor Day and a couple of things with that is the elimination of late arrival Thursdays and also problem probably I mean 99% sure we're gonna have to shave off a couple of days off winter breaks so it'll be like a week and a half instead of two weeks and we'll go later in June the
0114th through the 9th possibly but we really have to take a close look at those days I'm trying to think of what else I I said additionally I'm you know this is this is because the Cova pandemic and trying to plan for next year and a two pronged approach with safety and security first the forefront with safety security and you could add you know sanitation plan to this and then also what our exact plan is going to be for bringing the children back to make sure it's all in order front loading professional development having to have teachers be able to teach blended and online learning environment see bcc is actually opening August 19th and they will actually have their classes at CVCC we actually we're starting our board meetings we actually are meeting Thursday in
012person for our board meeting and July 6 the remote working is done at CVCC and all employees will report to work per contract guidelines so one thing I think is important we do have a large number of students at CVCC so I think it's important that our district works with CVCC to make sure that you know I guess that that education is going to be consistent with for those students attending CVCC now again this is you know we don't know what's gonna happen within the next month or so so there's a chance that this will be remote if there's a cup breaks than that this but the last word we heard the plan was to open the schools our adult education is open adult education programming going on now okay Chrissy what happens if all
013the districts that are in the CVCC decide to open after Labor Day you know that's I would say it's a superintendent discussion between the eight superintendents and CVCC which I hope that that's a discussion that's going on because I'm one member and I really think that's my decision again this is preliminary discussion and I and I don't think it's an easy decision for any of the superintendent's because each community I appear is going to want to do something different because the state is allowing local control which is good I don't I kind of wish there were more guidelines from the state so they had all districts would have you know even within the county would have some some more guideline which I don't I don't think that that's happening so I can't really tell you
014right now and I'm assuming that the CVCC superintendent will be meeting with the other superintendents but again this is preliminary mr. hankey have you heard anything from the state about guidelines as far as maybe going from 10 to 15 students in a classroom or nothing yet no it would it would be most helpful if they if they let us know that the issue right now is that you know we're looking at a total of 10 people in a room and if there's relief on that we have through OSB a and basa we have put legislative relief requests in some of which it did make it into the legislative relief especially for us the licensure relief piece we have not gotten an update as of today as to where that legislation is there's a number of
015things in there as well with testing and things of that nature that being sent mrs. kid so now all of a mail mr. mangas I haven't I haven't heard about the calendar yet but as you said it's just preliminary mr. juvy mrs. Bolton had another question true well their students have the option of doing online learning for Charming yes during during my report I don't want to jump the gun cuz it's gonna be in the official record I do have a proposal for a fully online digital Academy which is well let me just talk about it during the reports or not but yes yes the short answer is yes one thing with CDC's me I will say their class size are so much smaller it's you can't that could be one of the reasons plus
016the education that goes with CBC C is hands on a lot more so than in the traditional classroom so the uh I would like the EMTs and in the LPNs how will they get their practicals done well work based programming will not be in place the first semester the training will all be done at CVCC they'll revisit the workplace training the second semester but they do have a lot of practical labs available at CVCC for the hands-on types of learning and really when you think about it whether it's nursing whether it's construction trade whether it's electrical those really need the hands-on type of learning I think it's very difficult it was difficult to do remote and and so and again with the smaller class size that the decision at this point is to do is
017to have these students report to the CBC see know in a baddy LPNs go to clinicals at hospitals the LPOs are you talking to adult education or yeah the CBC we don't have an LPN program for the students education I would say I can ask what they do do some of the training and nursing homes in that as far as adults I will find out from mr. mangas if they are going on-site if it's a new program that's a good chance that all the work that they are doing is not clinical it's more for about you know traditional instruction before they go into the hospital setting but I will find out what about the EMTs the adult again I can ask I don't I don't know I I will tell you that we were told
018that the instruction is starting this summer for the adult education and we are following guidelines from Ohio Department of Health so I will find out those answers to the adult it thank you sorry any other questions mr. Slocum those were the only two that I seek we wanted to discuss the diversity meeting supposedly coming up on the 17th we do that now or should we wait till uh I can I can I apologize I thought I was on mute before and I I guess I take part responsibility there was discussion my daughter and some board members and some people in the city we're all talking and they wanted to get together the discussion about some sort of diversity meeting and she's new to this and I didn't want to get involved because two board members
019already were and I told her I can't we can't all three because it's a meeting I tried to stay away stay back I gave her some suggestions I'm not sure what she took what she didn't take at this point there is no meeting for with Garfield Heights I I'm getting the feedback that you know Garfield Heights wasn't wasn't aware included whatever and and I and I totally understand that so I asked her to just you know you have to take GH off you can't use the logo and it's a good discussion and I think when the final flyer goes out I think the information will be very helpful to our city to Michigan to tweet or anyone because these types of discussions need to be had and she if she overstepped Ellen's she was not
020trying to interfere or over stop or anything it's new to her she's got a lot going on and I did let her know that the gh logo would have to and gh is not involved and in the future anything run through gh would have to come from the direction of mr. Hankey so I apologize for that again when the fire goes out if there's a way it can be dominated it's you know a way to further discussion especially what if anyone saw I mean we're parenting issues and careful tights with some of our police and I think any discussion we can have about diversity is is only gonna be helpful so I apologize for me I agree miss Kitson my only concern was I just got that email today and I saw the flyer and
021I understand it I travel yes she she is new to this and I tried to explain to her and she didn't follow my suggestion it's over thank you thank you mr. Dubey we have one more question from miss Bolton I may lose the Ashley now have to do is information available online from previous board meetings which address the situation with schools for next year and I'm I don't know if I fully understand the question but I'll throw it out there if she does she want the minutes from the board meetings I don't know if there's I'm not sure just that's the question that came up I guess maybe we can address it with her mr. hankey and I could probably address it with her aside from this board meeting and find out exactly what she's
022looking for okay we could do that you know get a hold of her tomorrow and maybe drill down a little bit more what's what the question is and all that we be able to our meetings and zoom are also on our YouTube channel well they're there yeah so I guess we can get hold of her tomorrow and and to answer that question that's okay with her so she's watching I guess I got one little small question mr. hankey with the with the new calendar do you guys put the new proposed calendar together in the end presented to our unions for their input or do you get their input and then create the new calendar while we this one what the union contract is is that they usually get two options of calendar this is obviously
023an extraordinary circumstance so what we're trying to do and what I communicated with the union president today was that we'd have a draft of this ready to go for input from them this Thursday we have a scheduled meeting with them this is this is a lot different than what we usually do it's usually done in the winter early spring and we have a couple of different drafts for them [Music] because I got one more question do we have programs like on our origin that seem like the lead program some of our schools that we send our students out to do we coordinate our calendars with those programs or we still have transportation and those other services still ready to go and I think some of our students go to leap halftime time so how does
024that all coordinate with the calendar change for us and is any of those programs proposing calendar changes the screen here oh shoot that to Mister Sluka we we don't coordinate basically the calendars match until this year since leap and some of the other programs are for special needs students we actually coordinate our transportation to meet their schedule so they're if they're gonna start earlier we will start our transportation earlier and the end the other way around it's usually you'll be extra days and some of these these programs actually go beyond your end in the June so we keep that transportation going to the end of June the hard part this year is gonna be leap program we do a food service for them out of Elmwood so we're gonna have if they start earlier we're
025probably gonna have to coordinate some sort of food service program for them they start earlier if when we start a little bit later but that's not an issue we can we usually cook that at the high school and chip it down anyway so we can ensure that they get that food up until we start school they coordinate our transportation around their schedule so it doesn't if they match up a lot of days on match up because a lot of our students but if there's days that don't that they go we don't continue the transportation it's six o'clock we can start I'd like to bring the June 15 Lord meeting to order Rokoff mrs. Daniels president miss Thomas present miss Tucker present mrs. Kitson I'm here mr. Chu be here recommend the document as presented so
026me second discussion roll call mrs. Daniels yes mrs. Gibson yes miss Thomas yes mrs. Tucker yes mr. 028work they are doing some of their practical experiences now following the Ohio Department of Health and the CDC guidelines she is reaching out to our adult IDI director and I can get more information which I will forward to everyone leave that we did receive a botany certification waivers so we can do in person sticks for for our phlebotomy program our health education and that's for our high school students so we we will have that on hand and the last thing is is our Board of Education will be meeting for an in-person meeting this Thursday to complete the superintendent and treasurer evaluation forms and that's the end of my report thank you thank you any other committee reports yeah for student activities again I just wanted to congratulate the class of 2020 that commencement program was
029amazing if anyone was there if anybody watched it you caught a glimpse of it you saw it you've got the energy and I'm happy that we were able to all come together for our scenes this year I do not have an official report from Dale but football has begun workouts following oh Sh a guideline there are three phases of opening the athletic department back up but as we all know those protocols change daily I've also been in touch with ofb a student activity liaison committee about the state of student activities for the upcoming school year I wanted to share some relevant information about a regional meeting that we recently had so as we all know sports performing arts and other their activities are essential to the well-being of our students at the district we must
030continue to place a focus on educating the whole experiment governor do I host the Wellness fun near and dear to his heart some of the suggestions from the cotton from the conference where to use community assets always assume that families have positive intention make sure the information is accessible and readily available on including constant updates to the district's website make sure that we are addressing learning that and make an adjustment to our curriculum as we see fit possibly having a hotline for parents to call into with any question relating Kovac and also hosting a parent virtual University to keep our parents informed what changes we also discuss different learning environments and how looping may have a positive impact on students of color as well as its increase in teacher effectiveness we talked about the importance
031of board representation on the curriculum committee as well one district even talked about how they broke up their middle school and two tiers provided by PBIS in order to make meaningful connections interventions with students and families and then lastly we talked about the bill that Chris mentioned that would allow special certificates to our teachers to teach other subjects and that concludes my report thank you yes I have a policy on committee report the board policy committee met on Wednesday May 20 of 2020 to review several new policies and policy updates recommended by Ohio's School Board Association the meeting was conducted by President Judy mr. hankey mr. pan and mr. Liu mr. chuka I was not I was excused from the meeting due to family matters most of the policy updates were taking out or adding
032new language to the policies listed below is a breakdown of what was discussed during the meeting there's a policy that was reviewed on executive sessions and that policy updated was to take out language of students we also had a policy B D G B and that's minutes policies in that added language that board minutes must be accurate and with sufficient facts he also had a staff conduct update and that language was for our educators to comply with licensures code of Professional Conduct we also had staff and student relations and it was a language that was changed to align with staff conduct and will and update the professional code of conduct for all educators career about yet policy number I J a career advising aligned with the new aligned with the new graduation plans for the
033heart oh hi O Department of Education Policy I ND / ind aid which was in regards to school ceremonies and observances exercises updated pilot updated policy needs to be submitted to Ohio Department of Education by October 1st and policy number je d student absences and excuses it was updated and changed language for student absences and excuses from school policy je e student attendance accounting it added the language without a legitimate excuse from school policy JFC f / j SC FR has hazing and bullying it added discipline procedures will not infringe on First Amendment rights policy g b ra - g b ra our Family and Medical Leave Act expansion this is an update to the corona virus pandemic we sent this to legal counsel who looked at the language and made the recommendations for the
034board to adopt and lastly it was policy I K FC - F and new graduation requirements will be put on the July meeting for review the policy committee hereby request that the Board considers their recommendations and approve the first reading / item number 13 of tonight's agenda and that ends my report thank you mrs. Daniels mr. Kerr do you have anything tonight or no no report thank you under presentations mr. hankey you want to introduce yes certainly president Juby Michele Henry from the Center for marketing of pain research is joining us we were able to launch a scientific survey to gauge a number of questions from parents some of which actually most of which is relevant to our planning for next year Ms Henry I believe all the board members should have received the report
035through my or my excuse me my report on Friday so Miss Henry is going to briefly go over some of the highlights of the report I think and and go from there so Michelle go ahead hi everyone okay so I have to apologize because I'm in my office and I can't close my blinds so it's giving me these weird like highlights but that's not really the way I normally look so so I just want to start off a little bit and say a little bit about who we are I'm the center for marketing and opinion research who we shortened to Seymour has been around for about 14 years before that my business partner and I used to work at the University of Akron running their research department there so we see more specializes in working
036with public agencies so we work with school districts and local universities and colleges as well as healthcare organizations and government agencies and nonprofits so because we have a background in public service we when we started seeing where we decided that that's really what we wanted to focus on so we've done a lot of work with organizations that make a difference in the community like yours so that's a little bit about who we are our capabilities here is an on-site call center we do web surveys and focus groups as well as you know in-depth interviews than any other way to to talk to somebody and find out what they're thinking so that's a little bit about who we are we've been partnered with Garfield Heights for the last ten years on a variety of different surveys
037including some levy surveys and some surveys of parents about attrition so this survey obvious is about what's going on right now and I know you guys all have it I'm gonna just kind of go a little bit over why we did what we did and how the report lays out and a couple of the key findings and then take any questions that you might have so just a little bit about how the report lays out on page 1 you had the executive summary do you want me to share my screen or is do you want to just look at the copies you have would be beneficial if you could share your screen because I didn't print them off I only camp the electronic copy and I only have one screen so I be shuffling back
038and forth sorry can you see that up mm-hmm only the second time I've shared my screen so this technology is new for everybody ok so I'm on the first page of the table of contents so we have an executive summary and in the executive summary it's really an opportunity to kind of look at everything at a high-level glance we don't do a lot of additional analysis just kind of giving you a feel for what the responses were and some description about the findings then we move on to the survey results which are set up in three different areas first about the overall problems and concerns given the corona virus and then feedback on how the online learning went for the year and then perspectives on what parents would like to see happening next year we
039asked a few communication questions there's a section on respondent demographics there's a section on research methodology and then the survey instruments so that you can actually see how the survey is written in case you want to go back and say what exactly was the wording on that so so that's a little bit about the methodology alright mean about the so I want to talk a little bit about the methodology it's actually at the end I'm not gonna scroll all the way through but I'll just talk a little bit about we talked to 462 people parents in the district Beck is a 4.1% margin of error with a within a 95% confidence interval so basically what that means is whatever finding we have we can say that if this survey were repeated ninety four hundred times
040that ninety five out of a hundred times that results going to be anywhere from four percent on either side of that finding so because we did this survey based on random sampling on the phone section and with the emails we actually gave every household an opportunity to participate so we know that the survey is giving us valid and reliable results that we can do statistical analysis on and tell you what our significant findings that's a little bit about the methodology so go a little bit out of order because I think what I really want to talk about first is the feedback on this year because I think that the feedback on this year was really positive and I think that's a really good story to start to look at how the parents are looking at
041what's happening so if we talk about what's happening with the online learning and what their experiences were we had forty seven percent of the parents give us an excellent or good rating for how that experience was for them we had very few that actually gave us a poor a poor response was sixty point nine percent we asked the people who gave us a poor response what that was and that would be the seventy four people you see in that next couple of lines and the main reasons we were given is that they had difficulty managing their child's learning and they their child had difficulty staying focused and the work was not engaging again those are pretty small numbers with only 74 people having given poor report reading to begin with then we asked them a
042series of an agreement statements that we asked them to agree or disagree on how they felt about a number of different items these are actually ordered so that you can see the highest level of agreement so they were most likely to agree that they felt supported by the school district was seventy five percent saying so which is a really strong finding to feel like in such a crisis that they were that they were supported by the school district and something that was so foreign to both them and to the district following that we had almost two-thirds indicate that they found the amount of resources being shared online to be helpful those numbers start to drop in terms of like finding ease and managing their child's online learning which was less than half if you go
043down to the very last one where we asked him if there are the child's online where they were asked to agree if their child's online learning was challenging enough we had 17% agree that it was not challenging enough which means that there's a good number of people out there that felt like that online learning was challenging was a good finding so overall there's a lot of support in terms of the feedback for this year and how they felt and parents generally felt positive about that we asked who was most responsible for managing or helping their child with online learning overwhelmingly the mom followed by the mom and the dad equally so there's a good number that were that had a parent helping them we also asked how much additional instruction they felt was provided by
044an adult and we had a little bit more than a quarter that said a lot and a little less and a half that said some so that means you know nearly 75% we're actually doing something in addition whether it was son or a lot to what they were provided we also asked him what works well about the online learning and we heard accessibility of teachers Xoom meetings with teachers the timetable of assignments so we heard that you know you see that there's a lot of involvement with teachers and how the teacher structured things then we asked them how powerful Heights could improve the online learning and the most frequently given response was a virtual interactive classrooms followed by organized reasonable relevant assignments and more zoom meetings with teachers so you can see that both what
045works well and what they want more of is that interaction with teachers so now I'm gonna go back a little bit to what people are worried about now so looking at the overall problems and concerns because now we start looking at kind of like looked at what happened in this last year now we're looking at what they're thinking about right now what are they worried about we asked them what's what are they worried about what the most important thing is that they worried about as a parent during the corona virus pandemic so this they could say anything for it didn't have to be related to schools and their top response their top concerns we're having fires contraction and their family their learning being compromised during online learning and prevention measures being practiced and enforced and
046this was just in general then the next question we asked him what was their biggest concern about their child not physically being in school as a result of the corona virus pandemic top response given there was no socializing with peers followed by falling behind only be ademma CLE and then lacking instruction time with teacher now as you get further into the report there's actually quite a bit because these are just really the top three answers and they you can see that those numbers are relatively small which means that there are quite a few other responses and when you start looking at all of them together there's a lot of academic responses in there as well as the socialising but there's a lot about them being concerned about their kids and how they're doing academically we
047ask them to rate their level of concern on a variety of different areas and this is the percentage that they gave us that we're very concerned they're 69% are very concerned that their child does not fall behind academically another 65% are very concerned and this was only asked to high school parents we're very concerned that their child was on track to graduate another 60 percent were concerned about their child missing time and then it drops down fewer than we're concerned about having about their child feeling safe and emotionally at ease or their child feeling bored or under stimulated and they were least likely to be concerned about the cancellation of afterschool and other activities that's kind of where they're at right now so you can see that there's you know with them worried about and
048the biggest concern about no school that we're seeing a sense of worried about the virus and worried about their kids doing well academically given the situation so now we pop over to the perspectives on next year during I think it's on my paper so it's hard to like keep track of like what I'm talking about there in here so on the perspectives on next year the first question we asked them was to read different options for next year letting them know that you know that the school district was considering different options we wanted to know what they thought about each so the option that actually had the largest amount of positive response was a mixed approach for all grades with alternating days and then followed by in school learning based on reading proficiency and then
049completely reopening with social distancing or learning being done online from home from dropping from there what was least likely to be interested in was completely reopening the schools as they were before or having K through 5 returned to school while 6 to 12 continued online learning we asked them if they'll send their student if the district reopens and we had less than half say yes less than half say not sure and about 11% saying that they don't think that they would so we followed up that up with asking them why they wouldn't send their child to school if the school if this district reopened concerns we had were fear the virus contraction and preventive measures were difficult to enforce we asked the reasons for being unsure about whether or not they would send their student
050to school and they're concerned about safety and sanitation measures that are in place status and facts about the virus as the school year approaches because things are changing so quickly and school districts plan for the 2021 years so all of those are considerations that they are thinking about when considering whether or not they will return to school with their students we also ask them their comfort level with sending their student to school if mass were mandated and we had more than two-thirds indicate that they would be either very or someone comfortable with that we also ask some questions about transportation and meals we got about 53 percent who said that they were either very or somewhat comfortable sending their students having their student transported transported on buses that were had social distancing but then when
051we asked them how they're most likely to get their child to school next year they were most likely to say that they would drive them or that they were unsure and then another proportion of them either had child driving themselves or they would ride the bus we asked about their comfort level with participating in activities and we got more than two-thirds indicated that they were very somewhat comfortable with that and we also had a high percentage about 780 percent that were receiving meals on online learning days the basic executive summary as you go I'll go a little bit slower through the report but I'm not going to go through all this but as you can see when you get to the survey results we only reported the top three for the open-ended responses and on
052open-ended responses like this we gave them the option to say whatever came to mind and then we took that response and we made categories out of them by coding those open-ended responses so you can see that we had about 146 people fires contraction and my family they didn't actually say that word for word but they said something that indicated that and we put it into a category together so we try to keep our categories to what's reasonable because we want to make this usable so that you can see things at how they're grouped together but we only report the top three in the executive summary so as you go through the report you can see that there's the bigger list throughout also when we give them the opportunity to give us more than one we
053usually report the first response separate than all the responses because first response is generally like top of mind what's the very first thing I think of when I think of what I'm concerned about so that has a little bit more of an impact or a here's a little bit more weight than all the responses we did break up the results by different elementary schools and the different school type so that you can see any differences in there we did that on all of all of the items I'm gonna scroll through kinda to the end the communication questions okay so when we asked them if they had every if they had visited the website in the past two months we had almost three-quarters of parents indicate that they had we also asked them how they get
054their information about the district and we had a really large number almost 75% again and say email followed by the district website and then dropping from there into social media sites in the district newsletter and then even less with family and friends and neighbors which is generally higher but given the time period um obviously people are less likely to be out and about talking to people we also asked which communication methods they'd be used in the past as you can see text messaging as you might expect would be the most common form of communication followed by email and then social media and accessing videos and then after that we have the respondent demographics and then the survey so that's kind of in a nutshell the the basics of the report I think the things that
055I wanted to really highlight was that I thought that what was really interesting was how positive parents were even though this has been a difficult time and there were a lot and they've been worried obviously about the academics is that they you had really strong positive findings on how well you did with your online learning and then also to point out that you know parents reiterated at several points their fear of the buyers and their need to understand what measures are being put in place and how they can keep their students safe and then also their interest in making sure that their kids are academically on track and having teacher involvement because we saw teacher involvement you know throughout as a pretty steady theme so that's it any questions hey this is um Chris I
056have a question go through the area that talked about the online access and computer access it seemed like it was high like 95 93 percent of our students were able to have internet access and computers and to me that was a concern that our students didn't have that available to them and I'm wondering if it's because we provided Chromebooks or I thought I thought that number would be a little bit lower and I don't recall exactly where I saw it in the survey I do remember that reading that as well most kids and I was wondering whether or not it was because we when the survey was given they had received the Chromebooks and hotspots so the majority of the he was met at that time that's my thing too I think it's important if
057we can determine how many families need that access will we have the funds can we provide that hot spot to them for the upcoming year and the computer versus those families that have internet access and computer access already I mean I'm really thinking that if we're going to go online for a period of time we have to make sure all families all students have reliable access and computers and I I mean I don't see how online is gonna work unless we really have a clear understanding of the of where our students stand and that's just my personal opinion but I think it's very important Cristina looks like calling three point seven percent do not have reliable internet access so the question my question is we were under the impression that a lot of families yeah
058so as Millette said is it because we provided the internet hotspot for them is it because we provided the computer or I mean how many families are we going to have to provide hotspots and computers to versus how many have a computer at home and if they have a computer at home and they have four students you know for children I think it needs to truly be a one on one which I believe is what that district is is working toward and I just want to make sure that that is that intent miss miss Bailey does when we pass out the Chromebooks that every student get one or just every household every student that needed a Chromebook received one initially in the elementary schools we were well initially we were passing him out grades 4
059through 12 then we ordered some more Chromebooks at the elementary levels we were doing it one for every two students because all of their work initially wasn't on it online completely but everybody that asks for a Chromebook so I think that number is pretty high about access to technology you know because they were because we gave out a Chromebook now as far as hotspots go we only ordered 70 of them and we passed out about half of that now summer school Chromebook pickup started today for some students that didn't have them and we had another request for nine so I you know that it seems to coincide with having an internet access at home there also was that free internet that was being provided by I think it was SPC can't remember right now who
060it was but they were offering free internet for three months so maybe that helped as well we definitely though passing out the Chromebooks definitely played a huge part in success so a family at war at home could have gotten easily for Chromebooks except for they were very young children it's possible they got one for every to chill two children but potentially they could have gotten four received four yes thank you questions for Miss Henry yes this is milette my question is compared to some of the work you've done with the district in the past and knowing our demographics do you feel that the demographics of the pyramids that completed this survey is a fair representation of our demographics in the school district yeah I haven't compared it to I didn't compare the demographics of the
061end sample with demographics of the district or of our previous samples previously we've done several community so we normally were matching the demographics of the community so it's a little bit more difficult to do that to do that match for match with this so but you know if we're not consistent with the demographics I mean obviously you know we we didn't ask for a mix between males and females we asked for you know the parent in the household so he was wanting to talk about what they did about the their experiences so but we did email invitations to every every parent in every household in the district not to both parents we only did it to one invitation per household they answer the question you're muted your beauty make sure that I know that everyone
062was sent a invitation to participate and then there were fun what phone calls I just want to make sure that the information that we receive is a accurate reflection of gives a good balance sure absolutely I can do a little bit of digging around and do a comparison and let superintendent hang you know I have a follow-up question regarding that is probably a Chris question I remember we sent out an update to ask parents to update their contact information do you know how many or about how many parents updated their contact information phone number their emails I don't have that offhand miss Thomas I will say methodology wise these types of surveys are relatively accurate based on respondents and also you know they you know you always take a sample of a particular area or
063organization or matter of school district so yeah I understand that I'm just saying I I would like to know if all parents are able to get the emails because I know some time a mail sponsor back and you know for about our sample size and it being random I just want to make sure that we're doing the best that we possibly can to reach every family sure I can I can see how many of updated and I think that that's why it was important to note that we did the phone surveys as well because we can we monitored those bounce backs as well as you know who's completed so that we only make phone calls to households where somebody hasn't completed the survey and then we also put extra emphasis on households that didn't have
064a working email address meaning that it bounced back to us and also emphasis on ones that may not have had an email address Thank You Michelle sure there was a email to the paper a survey they went up their website is it or is it a different survey no I'm gonna talk about that this is kissing during my report that has to do with trying to ascertain all the it's totally non-scientific but we're trying to get some data on on how about how many children their families will want to go fully online in the fall okay no more questions thank you Miss Henry really appreciated okay the next person up is Debra right Keith she's still here there she is hello everyone and president the juubi you do you don't okay okay it's just funny
065to me every board that I speak to always call me Debra right keys because the name of my company is the right keys to consulting it was just playing with you have keys right but that's okay I'm just used to it it's just funny so I just want to thank you guys for giving me opportunity to participate in your meeting and very interesting informative on presentations I also had an opportunity to view your last board meeting and was intrigued with your discussion at that time as well so I want to thank you know for reaching out to me regarding potential opportunity to work with the team to do some board governance trained and always commend boards for you know just recognizing that it's good to have your professional learning and it's not that a board
066has to be in trouble to have board training is something that you should do you should allow yourself to have at least once a year sometimes twice a your own professional learning because you don't get an opportunity at the board table to do a retreat type of meeting with each other and so I appreciate the Sheldon me reaching out to me and I did say to her my process would be I didn't even see with the board president and so she did tell me that she was gonna share the information with you and the superintendent so I appreciate both of you and the whole board team of allowing me this time to present you so I'm not sure how much time I have know how much time 10 15 minutes whatever you want young lady
067I didn't want to go over here because I want to allow you guys to ask me questions I'm going to share my screen with you with my powerpoint it's just about eight eight slides and it's just for me to make sure that I stay on task because I get excited talking to boards and I could just go on and on and on so I'm going to share my screen then I'm going to give you an opportunity to ask me questions so that's good let me see if I know how to do this here okay okay he's got a c-note wait a minute I'm gonna get there wait a minute this is always the task can everybody see yes okay great so again just my name Debra L Keys right and I'm the founder of my
068own consulting company it's just me just a little bit of background on me I've been working with voice for over 20 years yes this is a picture of me it's I've been working with voice for over 20 years and and I really really enjoyed this work I then had the opportunity since I moved to Ohio to work with and probably about eight districts just here in Ohio so this is just a little information about me I also dabble a little bit in equity versus equality I do racial equity training I've had an opportunity to work with aasa which is the superintendent's Association in Howard University we created an urban superintendent Academy and I was able to actually facilitate all of the port Governance sessions with that Academy for two years before I decided to go
069on you know and that information of my being at the national level is far in and in the state level let me just do this so so again 16 years at the Michigan Association will board that's really where my career started with working with board governance I was in charge of working with superintendents urges the conference is corporate sponsorship I was pretty much Jacky of all trip and so but I did work with a lot of the large urban districts or smaller urban districts as well in rural districts providing board governance training for them then I went to National School Boards Association recruited me because all of the state associations are members of the National School Boards Association so they recruited me there and I was a director of their Council of urban Boards of
070Education and then the director of their equity program which included the Hispanic black and Native American councils and that was really a really direct addressing equity and then I had about 110 districts at the national level but 11 of them were out of Ohio and those are the ones that you see a PowerPoint so I was able to make relations build relationships with board members even prior to leaving and going out on my own business and so I decided because I really really enjoyed the board governance piece and I wanted to do this as an independent consultant I didn't want to peek with the state associations and I would be doing that if I was at the National Horse Association and because there are you know a lot of school districts all over the country
071there's a lot of work that needs to take place so I decided to just do this work on my own and begin here in Ohio I an opportunity to present as the first ring superintendents meeting and out of that meeting and about three years ago they work with the superintendent's from these Ohio districts without singing and so not only oh hi oh districts all over the country I'm actually an equity consultant with the cornea School Board Association specifically for educational equity and that's about 22 so I'm here some other states that I work with and I usually don't just work at one time I continue to come back because it's really a very systemic approach the way I do the training and so I work several times and I'll show you a key of some
072of the topics that I work on well because effective school board practices we have to focus on and I'm knowing that you're aware of this but this is really what I focus on all the board and superintendent work very collaboratively together ensuring that the board understands their role and responsibilities compared to the superintendent and the treasurer the Ohio it may be one other state that the treasurer actually reports to the Board of Education so I always have to remember to include the treasurer is a part of the governance team well and I also like to focus on the governance team is at the balcony level where you can see a lot what's going on and that goes and couldn't you know goes into fees it to understanding your role of course that the superintendent you
073know runs the day-to-day operation and the board really just ensures that the district runs properly and of course the decision that the board is made will impact you know teaching and learning your strategic plan mostly it is of course as you know administrative but the board definitely needs to be participating in that because you have to make some decisions based upon some of your strategic plans and your goals and of course and I meant I heard one mention that you were going to be focusing only valuating superintendent and treasurer so that's very important that the board understands their role in that and be prepared to do that so that the whole team can operate at the highest level these are some of the topics that I have provided all over the country what I do
074also is customize so I start out with an assessment whenever I first worked with the board there is a an anonymous assessment that I pretty much go I think nine about board governance and the assessment will let me know the areas where the team needs some type of us it and so that's where the customization will come in plus having a conversation with the board presidents attended and then I do interview board member and it is a conversation just to know that make sure that whatever customized that everybody is getting what they need from that so these are some topics and some of them you know and it's not a one-size so all the districts that I've been in over fifty some districts just in the last three years no one's the same board governance
075is the same all across the country but you have different people governing and so and different situations of course as you know in every city every board you have the larger districts and then you have the small and then the ones in between but everyone's important it's the focus that I really like to make sure that boys are various I've been efficient because I do remind who are members that there are some entities out there that don't out use the Board of Education and they are looking at what do to get rid of the Board of Education and so my job if I take very seriously is to ensure that the board I'm operating at the most effective level and these are like I said some of the topics that I focus in on and
076of course because of the the nature of this country right now the situation a lot of and I I saw the presentation for your last week about your diversity training and that's awesome really enjoyed that presentation that's important as well and to focus in on equity and I've heard you guys talk about that and you know you there's this piece about racial equity which you know everybody has to have the conversation and I what I do is create a safe learning environment where everyone can pretty much speak their truth if you will because it's for the good of the children because what only thing I'm focused on it was best for the children in your district and when when board members taken oath as you know you said that you would do best children and
077so if we focus on this teaching and learning is what we're there for and plays a role administrators play a role from the bus drivers they're the first person that may engage with the children and so I paint that whole picture it's a board and such or up every part you don't have to be an expert at it of course but you do need to understand all the entrances intricacies of what's going in ensuring that the district properly because you have constituents out there who voted for you but your true constituents are those children they can't vote for you yet so you still have to do with in the best interest of children of course and so focusing on your professional development is extremely important again having that that time away from the board table
078you're not making any decisions and yes the retreats are open to the public but no decisions are being made but it is creating that environment where we could actually talk to each other to get a better understanding even understand personalities of each board member so that you can understand better when the when there's a real tough decision that has to be made and you maybe just can't figure out why someone would vote the way you word not vote but if you get to know that you will understand that and all of those things that I focus on or behavior all of that is because it is so important that all those things are addressed in order to be an effective board because you don't want all of those exterior distractions and so that's what I've
079been doing for many many years that might focus I really enjoy working with school boards because the work is important and everybody plays a role and I totally understand the role of the superintendent like I said I did the academy for aspiring superintendents totally understanding their role and just helped the board and superintendent have real collaborative relationship so that the superintendent knows exactly what he or she is supposed to do and the board so I mentioned about the serving and all of this is researched based information of course and working at the National School Boards Association it's not just what we want to do these best practices have been researched based and they work so there are districts all around the country where you can see that they have an effective board and you really
080start peeling away to see how are they functioning at that level and it's because they practice best governance behaviors and that's basically what it is and I also infuse like I mentioned before the educational equity is so important to know the difference between equality and equity because as board members as you know you have to be making decisions through equity lands everything you do where the where the money is allocated you give children what they need when they need it so everybody gets the same thing I'm sure you understand the difference but we kind of lose that when we start performing our jobs and so I am able to walk the board and the governance team which is the superintendent and treasurer to see how everyone plays a role and that you have to start
081looking at every decision through the lens of equity and that's for all children where you can see where maybe we have not been providing enough even for the children who are at the top they still need something you can't stop teaching them so it's the whole thing the boat you know everybody rises at the same time and so like I mentioned you would be the any concerns that you would have that would help the team the survey tells me is very telling to me and it's not that it's negative but it just really clears a clear understanding of the areas where most boards of education to focus and there are always common themes that rise to the top on every board whether you're a very good functioning or not and it's basically you know the
082team building understanding your roller responsibility and trust issue all of those things play a role that will impede you from making decisions for the children so my job is to just remove all of those obstacles so that you're able to really focus in on the work that you do so so goes the leadership so goes the district and so you know the superintendent has staff that's depending on you know the board knowing the direction that you wanted you know on to and you know you can't of course evaluate a superintendent if you have not left the superintendent know what your expectations are what are your goals what are the board if we meet our goals and so you know it's so unfair to a superintendent to be evaluated based upon if board members just say
083this is what we wanted you to do what all you didn't tell the person what they would you pretended of course the lead his or her staff you know so that they know but if they view that the book really knows what they want is it's good everybody it's a win-win and is triple win for children because again I always bring that back to the core reason the reason that we're all in this bit children it's not an option is what we have to do you know no one used to opt out of that when you're in this field of work so I really help the boys stay focused on that give you the tools that you need if there's some areas that you need a little bit assistance and then take you to a
084whole nother level of things that you're doing really really well because times the dynamics of the board will change you know one board member comes on it changes the whole dynamic so you want to make sure that you have things in place where it really shouldn't matter who's sitting on the board and I'm not even gonna push it in it shouldn't matter who the superintendent is because if you can have your your foundation of what you want you're where you want your district to go and you have your strategic plan because just because the we'll change you don't change the whole plan you don't throw it out the window and so but that takes time to create that type of culture and at the board and board level and at the district so that's work
085that's continuous work every single day and we know that boys change over hopefully not is off super intendent change over but the board's change over but someone coming in you can see all they have a blueprint they know exactly what they want to do now how do I fit in and again so that's what my role is to do to continue to keep it going we're just passing the baton we you know have some hiccups here and there we just continue we figure it out and we just continue to go because as you know you are only the Board of Education when you're together when you disperse when with Joe when you hit that gavel you are you are an individual board member who cannot make any decisions by yourself and so that's why it's
086so important to understand each other when you are the team when you're sitting at the board table so that's the work that I do and and I'm very passionate about it anyone you talk will say that I just you know because I still see the children because we have to continue to be the ones because they are really the ones who are your constituents they just can't vote for you right now so you have to make sure that you're doing what's in the best interest of your chill of the children in your district so children who come to your school and of course and we don't want to leave our staff because you have to make sure that the staff gets what they need to be able to teach the children oh that's pretty much
087about what I do so do you have any questions for me and I'm gonna pull it back so I would really like everybody unless there's something on this and I can send this PowerPoint so that you can have it don't be okay so I'm gonna stop sharing I think that's how I do it yeah cuz I like to see everyone's face that was like drinking through a fire hydrant you think about when you drink through a firehose you still get wet and you get that you get some water so whole idea is something to quench your thirst but we have any questions that you may have you you got my thing with that last comment cuz I was a further further for 27 years Oh wonderful well actually my whole career was working with law
088enforcement so I yeah I I appreciate your presentation I was intrigued by because as their district is going to maybe mr. Hanner other board members teach at MIT is we started a on plan for a new strategic plan but that got sort of waylaid with Cove in nineteen and we do we have two very new elected board members that started in January and then we appointed a board member after the death of our board member I think that was what February or March what yeah so we basically have 60% of our board is brand-new mm-hmm but I you're very good yeah and it's so important when in a new board member card and it helps the board member because you have to even though you near your new your first board meeting the community they
089expect you to know everything so you're gonna have to sit there and take it all in because the district does not stop running just because you're a new board member and so you have to figure out a way to get everybody up to speed and working together pulling someone under your wing just say look I'll take the lead and help you in this area because it's all for the collective good because you're the team and you have to make the decisions together and these the three new board members from my perspective are pure joy to work with they're just good and there's some island I could tell who they are thank you they bring a new perspective which I probably didn't have seven out of board 17 years old well you know I go back
090and I cuz I study a district before I actually work with me cuz I it so I watch how you guys engage with each other your body language all of that is what I really watching you guys really unless you're fully me you really like each other you know compared to what I have seen and I uh you know I've had things where the police where they don't had to s or board members or superintendents out of a meeting so I am so it's always a relief when I could come into something people really like what they do and they like each other but everyone has a different perspective or a different way of doing it but as long as everybody gets on the same Road and you're headed in the right direction and I'm
091looking at you because since I always like to go to the superintendent Chris sure I you know I it's been um you know I of this board you know only only two of them were involved in hiring me yet my first year so we're all kind of finishing our first year together so you know it's helpful to you anytime we can facilitate any sort of training to help us all be more effective the other the other piece of this is yeah we do need to you know at some point in the near future we launch our strategic plan initiatives it was very out of date the issue that I'm having is trying to figure out when did when to do that and you know things of that nature we do have a consultant for that
092and we were ready to launch meetings and everything else and then all this hit so you know that's that's kind of where we are and the question is when to effectively do that because we do have to get a bunch of things in place patiently for next year in my role no matter what you're doing other consultants your work with Mike is to depress the board for that because the board has to understand how do they play into that strategic plan hmm you know what are your board goals board goals district goals they should not be different hmm and some people think well no we have I to know then you have two systems that know so but the board needs to know what they're going and even what is your expectations of your treasurer
093you know a treasurer I always say principal superintendent teachers treasures are credential eyes they go to school for this not saying that board members are not edge okay in this room you are lay people you're lay people phenomenal folks and that's why community rep but they select you because you represent the community so the superintendent knows how to do his job the treasurer knows how teachers for all of them so now it's the board at least to understand everyone's role you don't have to be the uh you know master all of it but you know just enough so that when you make the decisions you understand how it's going to impact so what role do you play in your strategic plan you have to know what your what do you expect what do you want
094the superintendent to do when he's doing the day-to-day and work what do you want him to do the establish a what do you want what does the board want us to do so that's how I make sure no matter what you're doing the focus is governance because as you know and as I've seen all over the country board members have a lot of power and that's good and bad because they can disrupt everything or they can help everything and so it's a pleasure to see that you guys are not the disruptors you ask really good questions you know and I like how you superintendent how you're you're answering them and then allow you engage that's how it's supposed to be you respect everyone's position so you guys have yeah this is it's all okay here's
095another one I can use as an example we're doing we're doing the right thing but one thing I will say though especially you know as things of guys everyone's been very respectful on the support of each other's opinions and I think everybody tries to help each other even even with our you know I mean because that was a big turnover was a big change for everybody as we went through the year and then then the pandemic hit your plan for educating children does not you don't throw that out the window you just have to figure out a different way of doing it and so on how does the IMP does the pandemic impact you I've had several zoom calls working with a lot of superintendents and bores up what should the board imagine you have
096to redirect your focus but the end result is you still have to educate children and I was glad that I one of you mentioned that are we going to I think is Christine it was you saying about remote learning was there going because you may have to have hybrid learning you you're gonna sound like you guys already thinking about that because the end result you how are you gonna educate kids who don't want to come back to school any other questions seeing none thank you so much camera Thank You Deborah oh thank you so much I appreciate the opportunity and I'll just wait and see what you say but you know I'm I'm always a cheerleader for the Board of Education and the Sioux community and the treasurer just it just as important thank you
097does the treasurer has to be brave like no war members say there's no money not now but sometimes there's no so okay well thank you so much again for opportunity and I'll just wait to hear from you and continue on with your your meeting thank you yes and I'll send that on that PowerPoint too cheering yep Carrie there you I sure I had to find out where you went on my screen okay next up is down from are gonna metrics yes hello good evening good evening nice to meet you all I appreciate having the opportunity to speak Ashley thank you for this opportunity a little bit about order metrics and who we are and how we you know came together my brother is the founder and CEO he used to be the vice president of
098sales for a company called Medtronic here in May Atlas where were headquartered and he got real frustrated with the engagement studies that they were using because they were not moving the needle so he grabbed about four phd's and had him put an instrument together to specifically measure alignment and he launched it on his sales organization it came back showing they had some low leadership some more empowerment scores when I one period of time they would work on those issues and were able to realize 13% revenue growth year over year in a flat market I don't know if you know but that's huge as an industry leader something began to commercialize our tool called orga metrics and myself I have a little bit of a sales background but more of an education background where I worked
099with a lot of administrators and saw where they were struggling to get employees to fly information so I said we got to launch this tool Republic effector fortunately did 60 different school districts across the country I'd like to do it here my stream and also just the shape here too we have two tools one called equal metrics also which measures the degree of diversity equity and inclusion within an organization but here we are so this is who we are we empower leaders we align in organizations and drivers up we have a partnership also with the University of Minnesota and the head women's rowing coach gave us this metaphor she said that if their oars are off by a fraction of a second that that's the difference between winning and losing so while we all strive
100for that top boat where everybody's rowing in the same direction at the same time and in unison you look at that bottom boat you'll see a couple people horn at the opposite direction and as we know that's counterproductive you're better off having less people on your team or process we want to come in and work with the school board or actually the leadership team school board can be included too which is great and define what alignment is alignment is the strength of harmony between strategy structure and culture so then after that we want to kick off launch our 21 question assessment which only takes eight minutes to complete there's no survey fatigue and then you get a baseline read of how align the employees art is the strategic plan two guiding principles or the mission
101and vision whichever you choose then we want to communicate the findings plan and execute how we're gonna rectify what we found basically under what's underneath the hood and then use analytics to drive our decision-making which is kind of a rinse and repeat process so here are the components that make up alignment we start off with mission and vision or strategic plan because we have to have a direction of which we're going for communication what we're looking for there is is it bi-directional creativity is there a repository for idea yes you want to capture those accountability of course we got to be accountable for our own individual work but also what we want to know is how well do the teams hold each other accountable best practices that speaks to the humility of the organization we
102don't have to solve everything internally maybe there's a district neighboring district we can learn from and replicate empowerment employees like for their voices to be heard and also to know that they're making a difference so we take that temperature check there team explanatory development do I have the training necessary to do my job appropriately you know if I don't have that training a lot of times employees will round out their resume and just disappear and not even tell you why they're disappearing so is that a PDP in place and is it you know is that is the is the saw is are the employees nibblers sharpen the saw and then last but not least leadership are the organization accessible are they adaptable and are they authentic more time asking more questions or answering more questions
103if they spend more time answering more questions they are the Oracle of information and all productivity has been lost also nothing has been done to foster critical thinking any questions here I'll take silence as a No so this is a graphical depiction of what a Rito looks like after we launched our our tool you see a spider Graham letting you know in the center you'll see Scoresby construct so we are calling an aligned organization with the score of 65 percent or higher 64 230 5% is semi aligned and then anything under 35% is misaligned so now here is the leader you know where to spend your time to drive the results that you're looking for now as we dive into the instrument the goal is to answer each of the questions with a nine or
104a ten because that's gonna elicit than aligned response seven and eight semi alive and one through six would be missile music Net Promoter Score to tally up the totals of the responses so for question number one in my organization we regularly strategic direction you see that almost 50% of saying no another 32% is riding the fence Fix we look outside our organization to learn better ways to do work sixty-one percent says no 27% riding the fence so hear actionable insights on how to improve basically any questions here so here the dad edition in rural years of service age gender job level ethnicity and even high-performing employees to really get at you know who's doing why but the main narrative here is that if you've been with the organization for less than a year and you're
105only 19% aligned we better get some religion to them quickly or we're gonna lose them this next slide you see the district office as a score 62% not uncommon because they're around strategic planning and talking about it more look at the drop-off from North Elementary at 33% all the way down to West Elementary at 13% why is that number so low I'm so glad we're here you can see the scores by construct only 18 percent accountability twelve percent of empowerment eight percent leadership seven percent development horrific scores so afterwards driving there longer alignment for that building now this is a word cloud to capture the common themes there's a right end section what I find is very scary and having worked in the Minneapolis Public Schools you know the the mission and vision can usually
106be pretty easy a lot of times to make sure that students are career ready so that they're successful for an employee to write I'm not sure what our mission is that's pretty scary to me now this superintendent wanted their leaders kind of going down the y-axis so they could see how they were performing by construct across the x-axis and clearly you'll see that leader number five is the one that's been in the most trouble with those very very low red scores and that's when a school district says to me hey I love this instrument it's great but are you just gonna leave us hanging well absolutely not this is a heat map to address the issues of the constructs where they weren't performing very well so underneath communication leadership and empowerment you'll see some of
107the best practice recommendations that we have from the industries that we work with it allows you to do is you know pull you're number two in your offices - hey look I love the work that you're doing here it's great how can we replicate from you and then you can pull the other leaders in and say hey you haven't got started on the initiatives that we said they were very critical to our our plan why haven't you got started any questions here now so then after he made her coming back and measuring again because drastically improved and that really is a function of rolling up your sleeves and going to work on those issues and implementing those practices to drive the results that we're looking for and this was in a year is this raw
108data this is real yes within a year span 30 years fan but now this slide here is just basically saying that whatever the metrics are that matter to you so if you want to you know fact distance learning or the parent survey results that you had test scores graduation rates and des moines public schools is a client of our and they track chronic absence and student engagement to do is take my compare that to that law data and see what what correlations there are what we found is that as their accountability increased chronic absenteeism went down student hopeful went up and they're fired up about that so this slide here is normative data you can take your district and benchmark against others we do it for higher ed also corporate America and also law enforcement
109city government so that's when you see all all organizations there so we are industry agnostic and then this slide here is an alignment journey timeline of what it could look like in terms of it after again the district says hey you've helped us really find out what's wrong how can you help us fix this this would be an example of what a timeline could look like with some of the activities that the districts engage in to become more alive and then last but not least here are some of the districts that we work with you jurisdiction standpoint I would Maple Heights I'm looking Lawrenceville real quickly I'm just started doing work with you Youngstown as well and I've got a several other districts that were pending like Cleveland Heights as well to continue to kind
110of make our way around hopefully but I'll just kind of stop here and get your reaction to this I how does this different than a strategic plan or does this work in conjunction with the strategic plan this works in conjunction with the strategic plan if it measures the employee buy-in of that so in regards to that strategic plan we all know that that's something that is something that is on our you know our list right now so timeline speaking you know how does the work that your organization does fall with our process of you know revamping or create well that's a very good question and I get that all the time and what I see is is that it's always best to get a baseline read as soon as possible because then you can take
111that information and apply that killer strategic plan that you're about to write otherwise if you wait then you miss out on what you can you can be applying to that that makes sense yeah and how long would it take to get that baseline data are we talking months are we talking weeks we're talking about two to three weeks and I have a question a question in regards to the baseline data with that baseline data come from our administration and our employees so every employee would take the survey and the information would come from all employees all stakeholders from leadership team - I mean I imagine board members could take it - that wouldn't be a problem with teachers bus drivers engineers everybody okay I was just I was asking because of wondering about our it
112was something we wanted to do as we began a strategic plan we're trying to start the strategic plan within the next month I'm not sure how accessible our staff would be to being able to take the initial survey in order to give us the baseline data mr. hankey could you yeah I could and in fact that's what we have to talk about I know that you guys have been talking about a barb retreat starting a strategic plan and then all the summer is going to be very very difficult in fact my view is that the strategic plan is going to be at least a semester long process with Suzanne as our consultant and it's it's going it's going to be much easier for us to ascertain that information in the fall additionally I will I
113will I will say to the board just in terms of feedback we have a lot of things that we have to plan in terms of the opening of school that's going to take a lot of efforts from art from from our administrators and our teachers so there's a number of things going on I just want to caution the board moving forward on a lot a lot a lot of a lot of things at once making sure we have a balance thank you any other questions to go well thank you I appreciate it thank you very much for your time everybody have a good evening you thank you mr. Nike attorney recommend recommendations and recognitions tonight excuse me mr. Jimmy no they're not okay superintendence report Thank You president Juby the Garfield Heights City Schools concluded
114the unprecedented 2019-20 school year with several significant events first of all our beloved class of 2020 symbolically walked across the stage during in fact it wasn't symbolic I can take that out they walked across the stage during the week of May 25th and what resulted in a tremendous individualized graduation ceremony given the circumstances each graduate had their opportunity to receive their diploma have their name announced turn their tassels and throw their caps in the air thank you to miss Hager and her high school staff for their great job I also want to give a special thanks to mr. Furr to produced our virtual graduation ceremony I know it was a it was a little stuttering last night but they got it all done and uploaded and it was really cool and I don't think anybody
115had their whole class together which by the way was just virtual but that was pretty neat and also thank you to all the board members who attended to show their support student pick up a final materials from their respective buildings also took place during the week of June 8th and the teachers and staff members did an amazing job assembling leftover materials thank you to everyone who participated thank you also goes out to ghta for your continued support in this effort as well we couldn't have done it without our teachers helping to get our all of our materials back to our students next please keep in mind that Garfield Heights City Schools is taking appointments for enrollment and registration through June 18th I would like to say just as an effort to for parents to help
116us so if you do make an appointment please try to keep it we are trying to make sure we get everybody registered that we can those interested in registering must make first make an appointment by contacting the main line and our board office at two one six four seven five eight one zero zero to schedule an appointment after June 18th we will still be taking individual appointments and we will make arrangements given the Cova 19 present circumstance no walk-ins are permitted simply call to make an appointment you'll be on your way in terms of recapping the latter part of the 1920 school year I want to briefly share some departmental statistics for the board's knowledge and information from a teaching and learning standpoint mrs. Roslyn is working virtually around the clock to prepare for a
117curriculum span plan for the 2020 2021 school year one point of update for the board is that we have actively been working on a 100% completely viable online learning platform for students who do not feel comfortable returning to the classroom we also as previously mentioned launched a parent survey to see who would be interested in that we're going to be calling this our bulldog digital academy and we've already begun preparing a curriculum and have a brand and flyer that we will be preparing to push out to parents in the next several weeks Mrs Bailey could you briefly share your screen and show the Board of Education Flyers so we are looking to brand this so we we do have something that the students are able to look at this is just at the beginning of
118this and we hope to have more information as the next couple of weeks ago by one of the first things the Port of Education will see will be a posting for a an administrator for this program Mrs Bailey did update me just in the last couple of minutes that there were about 120 parents that have completed the survey 56% said they'd be interested in an online-only program Thank You mrs. Bailey can you take that down so I can I have my report on my computer screen thank you a special education department is closing up in 2019 20 school year in preparing for the 2020 21 school year by finalizing progress reports and an IEP and ETR compliance from the 1922 COI year they're reviewing branching Minds data to ensure all students with disabilities were provided
119specially designed instruction to the best of our ability during the fourth quarter using the virtual platform and continuing coordination of our of our out of district placements the preparation for the 2028 one school year includes developing class lists for 2020 2021 preparing progress book special services records and documents for migration to our new computer program system to july and providing professional development opportunities for special education staff on using the new progress book suite and preparing the ide a budget evil services department they've been busy working to pilot a program through TransUnion to improve the efficiency of residency checks sales are also collaborating with various mental health agencies and providers since March and throughout the school closing is to confirm that their services will still be available to us to resume and our on-site once school
120starts up again there have been multiple meetings with Jessica Walters from Big Brothers Big Sisters and her staff about the programs we would like to provide to our students and families once school begins again and even long line if possible they continue their work with doll fare about continuing to provide services for our staff about sex trafficking and we'll have more information in the near future doctor Dupree is been meeting with Mike Conibear from the Boys and Girls Club of Northeast Ohio along with other board members about bringing a Boys and Girls Club program to Garfield Heights and they're moving along nicely dr. Dupree and Gina Wilson will be meeting next week with the staff of the boys help program that's located in Garfield Heights and they're going to be working with our students year-round
121after school in the evenings and during the summer to provide students with academic support social emotional support and college and career exploration opportunities from a technology standpoint once the governor closed all public schools an instruction was going to be completely completed entirely online Mrs Bailey and her team quickly mobilized to provide our students with the resources they would need at home including more than 1800 Chromebooks to families in grades K through 12 the district secured hot spots for those families that did not have internet access and both Chromebooks and hot spots were delivered of families if they were unable to pick them up we provided phone support to families at home who could not get their devices to work for various reasons staff members were also supported with Chromebooks and we set up laptops for
122the administrative support staff and building secretaries have needed to work from home the amount of free resources for teachers at Algie Department set up a padlet so they could go to one place to view them we the technology staff assistant teachers and staff with any technical difficulties they had members of the tech team passed out Chromebooks through the second week in May in conjunction with the grab and go meals at the middle school for communications staff use google meters zoom to communicate with students we purchase zoom licenses for all administrators and teachers so they could have secured sessions this is the summary from several departments the representin would have been done in light of covin 19 and what is still in progress let's take a look at the look at the forthcoming school year beginning
123with some important information from mr. saluto relative to facilities participation excuse me facilities preparation we're exploring the using thermal imaging of students and staff for a cost of forty five thousand dollars for all five school buildings students and staff will be thermal image upon entering the building body temperature will be shown above at points a second test will be performed with a non-contact thermometer we're looking at ionizing our airflow ionization this would be placed in each of the buildings HVAC systems and as air flow passes over them air will be ionized well--there's and while there is no direct evidence that this kills the corona virus it has been proven to kill all the other types of bacteria we are currently seeking quotes from vendors for this daily cleaning staff may be hired to wipe down
124frequently touch surfaces all day in all buildings it will be a one of one of the major parts of their day sanitization centers will be strategically placed throughout the building supplies have already been ordered for that masks have been ordered and purchased for all students and staff I might add backpack misters meaning these are misters that employ where are their pack so they can miss down classrooms in a matter of minutes and then they don't have to wipe that down they just are able to disinfect classrooms very quickly we're looking at a reconfiguration of traffic flow and classroom setup that will be in place once the ryokan plan is determined to maintain social distancing guidelines in terms of transportation mr. civilians be more actively work move all routes to the state minimum two mile limit
125configure all bus scene and meet social distancing requirements look to cluster families together regardless of the school they attend and spray down all buses after every route relative to food services given the guidance we have right now we're going to go to a grab-and-go breakfast and lunch before we just said grab and go breakfast cafeterias will have those sit down eating food will be cute have to be consumed in the classroom these items are actively being addressed and will continue to be a topic of discussion in our kovin 19 Task Force which is met on a weekly basis since April to adapt to orders given by the governor ensure safety make plans respond to the daily changes during the corona virus pandemic to close school this is dedicated group of individuals they deserve our gratitude
126the task force also recognizes that their job is not over but in many ways is only just beginning as the Garfield Heights City Schools prepares for the 2020 2021 school year the Cova 19 task force will continue to meet as it prepares and plans communications for the items listed above we plan to share this information with the community throughout the summer months as we await final directives from Governor Mike DeWine about the 2020 2021 school year we know that our school will function next year as a top priority of parents in our community and we are dedicated to making meaningful thought excuse me making thoughtful and strategic plans and then sharing those with the community finally I would like to conclude my report by paying stress excuse me special tribute to the individuals who have
127lost their lives at the hands of brutality and violence in the last several weeks and also over the many decades and decades in this country need a senseless bigotry and hatred I after the statement releases to the public by the Garfield Heights City Schools Board of Education last week and commend you all on your leadership regarding this issue systemic racism has no place in our modern culture and certainly no place in the car field Hyde City Schools after turning the prayer vigil for peace and racial injustice last Sunday with our board members civic leaders and public safety officials it became clear that real accountability Forest English in all forms well elevate as a priority we will continue to rely on our diversity consultant our family engagement coordinator student based initiatives such as prop as the
128project mosaic our forthcoming strategic planning effort in which diversity equity and inclusion will be a main pillar of focus for our district and more to do everything we can to ensure that our students have the opportunity to pursue their goals and aspirations free from hatred racism bigotry of any form Thank You mr. president that's the end of my report thank you any questions mr. hankey if I may because I do want to bring something up and this seems to piggyback appropriately we know as a board that we are concerned about equity and equality and education for all our students it doesn't matter sex it doesn't matter socioeconomic status and we have a lot of barriers to that especially in public education so I agree we are all on board and it's going to be a
129challenge we did make the statement last week we do have programs in place for our students but I do want everyone to be aware that a lot of our girls alumni are going out of the city and taking this platform into into other arenas and my daughter actually who is a K through 12 graduate of Garfield Heights 2008 graduate she's the physician and kept in force and she is working on a forum to bring diversity and education to the forefront there's actually going to be a YouTube meeting and Wednesday and it will host it will be hosted through University of Michigan and it will include the pathology pathology director for University of Michigan who actually performed autopsy on and George Floyd the independent autopsy and it's also going to include a Garfield Heights alumnus dr.
130Fletcher dr. Adrian Crawford Fletcher she's the assistant dean of diversity in collusion at Case Western and I think it's really important as we have these discussions to include alumni from the district and also network with partners within our County and even nationwide to really bring this issue to the forefront it's easy we know with the way society is and our attention span at times with the media that things will go out for a week or two and then something else will come up so I really think we as a board need to promote this and I appreciate that we are including it as one of our pillars and if there is no objection when I get the wire from her I would like to know if we could post it to the district website to
131make it available to our families and administration and staff thank you I am one question mr. hankey when you have said mask for all the students is that just gonna be a one-time shot for them are they gonna get a new best every day i mr. mistress I guess said you it's a one-time shot but we will have a lot of mass there if they don't if they take it home and don't bring it back we're on board too if they come to school without a mask to give a mask every day for those students that don't have a mask I think though hey-ya like the pencil we'll be ready for that I mean we encourage students to keep their masks and take them home and then bring them back or there a lot of
132them probably will bring them masks from home maybe self-made mask or something they've ordered or made together but we will have definitely have masks for students who don't have a mask entering our building thank you if it's the same person every day that'll be fine we have an idea of the cost to the district I know as far as this will Colvin because it sounds like we'll be happy a additional educator for online academy thermal imaging is thermal imaging is say like 45 I mean the the mask and the sanitizer the initial order was $5,500 I mean the masks were we ordered 2500 mass to start the year off and we're on board and that's just the initial order and we can order as needed as we go for we we order through the Ohio
133schools Council and they have an agreement with a company to provide the the masks and the sanitizer I don't ask needed a system we reserved no that's just the initial order and we can order as we go that's the initial order to start the year and then we'll we'll keep ordering throughout the year as we need to replenish I don't know if anyone this could be a thought that we could have maybe a monthly I know it we don't know when it's changing I think absolutely Cristina I think for the safety of our students caution to me I want them to spend as much as needed recite I think it's important and I think ionization chamber that I I think that's a great idea no matter what the clock right oh and we will don't
134get me wrong we will provide costs all along as we go and everything we do we will you know get to show the board what we're spending it on and and how we're doing this and what we're spending at each where it's coming from and where it's coming from absolutely all right I did I had a quick concern we talked about using the to my L radius for transportation my concern with with that is that most of our students who will be actually back into the buildings will be our youngest students like our younger students are our priority to get back into the building and expanding and that at my learn me I guess the bright nose kind of thing I know you know that they're cute right and I think the issue miss Thomas
135wasn't we were looking at it is right now at the mile and a half we had full buses I mean a lot of kids were packed into these buses so if we the only way we're gonna maintain social distancing is we can go one in two areas we can reduce the number of kids we are students we are transporting or we're gonna have to run numerous routes to keep that distance between between students so a lot of students might not get the first route the second route if they're going to the same building and depending on building times the other thing and encumber what about hard to think the hard part is we could purchase the buses we can't get the drivers that's our issue I mean we can get the buses we just can't
136get the drivers we have the extra buses now the drivers aren't you can't all your drivers that and that's the issue and we seem to loose you know some when we hire one we lose some you know it's just that's our challenge right now our van drivers and bus drivers do they all have to go to a transportation no bus drivers have a more stringent certification than a van driver just make social distancing be more difficult in our vans are the you know being able to no transporting less students even in our vans doing a lot more van runs yes okay so we're trying to figure out that right now I guess the other issue that just if you saw in the survey is how many of our students gonna be riding the bus a
137lot of them Skynyrd's are gonna drive their own so we don't know probably if the next thing is who's gonna ride a bus or who isn't yeah in our digital Academy enrollment to play a big deal is the bulldog digital Academy Kate Wales yes it will be and will it be able to accommodate special education the the short answer is yes I think I think that as an individual education program and ie people would have to look at that especially if there's related services involved if that makes sense yeah I just wanted to piggyback back I have a question for you and then also a question for mr. suka the digital Academy is completely self-paced or is there a component where there will be interaction with a an instructor no we're not going to make
138it self-paced in fact one of the things that was born out of the survey data is is that the students and parents really appreciated teacher interaction we want to make this our own and I think that's going to be a big difference between other products or schools that are out there these students will be able to interact on a daily basis with their with live teachers and also it gives it gives us some flexibility in terms of the type of platform we may or may not have dot adapt okay stop that a debt now they station mrs. Roslyn and her team are looking in the various commercial platforms that could help us with this but one of the things were closely looking at is a possible Google certification for teachers they have a Google classroom
139certification the thing that will be very important as we develop this and it's going to be developed quickly but it will be comprehensive is the teacher interaction piece on a daily basis so my comment is we need to go back to you and I don't know if miss Bailey can put the slide back up or the flier I thought I read self-paced that's why I asked the question so we may may want to sure yeah that was and and that's not a release flyer we we just wanted we just I had I had our mr. crooks locks up mop for us so I could show the board that we have a kind of a branding going on and go with that we're that's going to be very very funny now conversely there are some students
140that might want to be completely self paced right I think we have the flexibility to do that both yeah yeah great and then my question the masks are they reusable masks no they're not there they're the paper ones okay but we're asking students to take them home and bring them back well it's it's if they can I'm not sure how that's gonna work but let's just say we if they and I perfectly know they're gonna take them home they're gonna throw them out or whatever or lose some cuz they're the paper ones will have mass ready to go the next day for all our students and quite quite frankly we're doing all this prep but the question is especially with our younger students what the requirements may or may not be I think it's going
141to be harder as a student as our for our younger students and some of our other populations to wear a masks all the time and and and I think the other hard part that I that I see now is there's no distinguishing between a young students mask and an adult mask it's almost one size fits all and they might have to sorry to say wrap it around their ears a few times that's gonna be you know quite difficult so unless there's an alternative coming up that I'm gonna see you in the next couple months where they do different sizes so unfortunately I have to figure something out there maybe just you know do some pins where they could just clamp them down or more but it's it's still a young person wearing a mask is
142still kind of a hard idea they're gonna get and mr. Hank you have one more question I'm just about curriculum will we as we're moving into next school year when we began to prioritize kind of getting k3 more in tune with Google classroom and more 1:1 with that just in case you have to go out again it's a little easier transition I think that a that group and also everyone needs help okay no I don't think any of our teachers were necessarily trained to be distance learning teachers but especially with k3 you have you have that issue the long and short answer is absolutely and the digital Academy is actually going to help us with that because we're gonna be able to this program we're gonna be able to develop and from our k12 perspectives
143we'll be able to adapt it if you know knock on what we have to altogether so yeah I just personally found that it worked out really if you guys did a phenomenal job before fourth and 12 which I was just surprised as a parent they already knew the platforms because I guess they were doing a lot of that work some and in the building a lot of that 1:1 already in the building so that kind of made it really easier for them once we you know transition to doing it at home so that was my reasoning for accident because my kids in Fort Worth they were really they were already familiar with learning on the platforms that you guys offered during a Virtual Academy more than k3 CLE I excuse me I couldn't agree more
144and we need we need a lot more help there and that's that's part this is part of it also just to have a really robust platform if we do again hopefully we well but if we do have to shut down so thank you any other questions mr. hankey so you done remarks from the public regarding honest emailed me on agenda items very good reports and recommendations the treasurer is recommended board approved the financials for may twenty twenty min wages item one through four so moved yes I I'd like to talk a little bit about items two three or four if I may with the board we have three new board members so I just want to give you a little background history on the what we call the fiscal year-end budgetary adjustments number two the
145temporary appropriations the permanent appropriation measure is not required to be passed until September and so we kind of like move that to September to work through the final appropriations but Ohio law says that we cannot spend any money or encumber any money unless it's been appropriated so what we do for the months of July August and September we put in place temporary appropriations for any spending we do in those first three months that's why we need to do a temporary appropriation until the final appropriation is put before the board to prove to September so that's why we do a temporary appropriation item nine in a three Exhibit C the appropriation amendment all effort is made to build a permanent appropriation but things happen throughout the year that we need to amend those appropriations most of
146the time it's we get more money and we increase the appropriation because we want to spend it the key here is the general fund Ohio law says under budgetary 5700 541 B and D that you can't spend any money in orange and encumber unless it's been a properly appropriated so what I do here at the ends we do an appropriation amendment so we can be in compliance with budgetary law and there's basically because of that requirement that we amend appropriations right now we're not going to spend the money that's appropriated there but it includes both expenditures and incumbrances so I don't want to ensure that we're in compliance with budgetary law by year end that's why you see the revisions I wanted to get in the adjustments because what ends up happening why the general
147fund is more detailed than the other funds has said when you do any revisions you need to put together amendments to the legal level of budgetary control and if you see in the original appropriations we go into more detail than general fund so that's the what the board approves for budgetary amounts so if I have to make any adjustments I have to go to drill down to that legal level of control because that's what the board approved the rest of the funds we only approve on a one level and you'll see that when the permanent appropriation measure comes up in September and I'll go into more detail what that means and how we appropriate to the different levels and the night of number four the transfers and advances once again Ohio law says no fund
148can end the year with a deficit balance so we either need to transfer money or advance money to those funds that are approaching that I see that we're going to have a deficit fiscal year end all the grant funds we usually advance the money because I know that there's a PCR coming in at the in the following month to take care of that deficit there are some funds that need a transfer because their deficit will not be wiped out by additional revenue we planned on those funds the beginning of the year when we do an appropriation for 300,000 for transfers there are some funds in there though that I didn't anticipate that we will be discussing next year with the high school on whether the board will need to support the band music Express and
149the dance line because what used to be the pay to participate coverage some of those that's no longer being covered by that and the fees some of the students paid I'm not sure if you know as we go forward where they're gonna be able to afford that so the board's like they do with the athletic fund the board will need to decide whether they want to support with additional monies I'm going to have the principal come to a board meeting and make that request to the board like the athletic director does in the fall - for his transfer request so that's the difference transfers are a permanent advances are in advance of monies coming into the next year and that's why you see the two differences there thank you okay roll call mr. Dubey yes
150mrs. Daniels yes miss Thomas not yeah Thank You mr. Tucker yes mrs. Kitson under personnel it is recommended board approve the following administrative Patrick's moving waves items five through 12 so moved second roll call mr. Daniels yes miss Thomas yeah mrs. Jetson miss Tucker yes mr. Juby yes under policy has recommend aborted through the first reading of the proposed board policies as presented and exhibit II discussion roll call mr. Tucker yes mr. Daniels yes miss Thomas yes missus Kitson mr. Dubey yes under contracts is recommend that board approve the proposed proposal from time associates for property late liability insurance through moving away frightens 14 through 17 there a second second discussion I have a new board member question so with all of these providers that we contract through do we get updates as a board
151on the progress that they're making with our students or the energy providers yeah are they yeah like are they but only people are we you know do we have the best services for our students right now these are providers that have been discussed through the individual education program so they're there they're really individualized I guess that's I hope I can explain this appropriately but I mean you know yeah I think this is about help and support through things there's that piece but there's also there's also providers that students have been at for years that we are not involved in terms of all of the efficacy pieces of that particular place other than their accreditation because it's been agreed upon with the parent I will say the I can say that the leap program though which
152is located in Garfield Heights has been a very good partner with us I think it's really critical that a program that deals with students with various emotional disturbance or things like that that we have a good partnership with them and that they're in the city I think it's great because of in the past what had happened before hit is we were sending a lot of our students to programs that were not even terrific lights and we struck a good partnership with them even down to food service so I hope that answered the question I got a question regarding this start therapy contract first I wanted to know are we able to feel Medicaid or do these providers bill Medicaid at all that provide services to our district and then I don't know where 7 up
153under hiring in the star therapy contract if you can't and I could just read it it's very short if you could just explain this to me ow it says in the event the district hires one of the contractors occupational therapist or occupational therapy assistant the district shall pay the contract at the sum of $5,000 for compensation for each of the hires I'm sorry is this sad that if we if we decide to actually hire one of their employees as our one to our district we have to pay them like an okapi I think so yes you're absolutely right we have not done that as a practice unless absolutely necessary I don't remember us ever hiring somebody from them to do OT or PT on the other question to as we do build Medicaid Services absolutely
154we do so the compensation is contingent on if a family is not medicaid eligible then we pay these fees or we we paying for us we for Medicaid you talking about or we get reimbursed when we do reimburse for Medicaid for these services yes okay thank you and I have a question regards to the the liability are we getting the additional cyber liability we we are right now getting quotes for the cyber security insurance absolutely it's separate from our policy it's a separate policy so we are getting quotes for 1 million 3 million and we were also looking at a quote for 5 million and they're working on that with Liberty Mutual as we speak but we will be getting cyber security assurance ok it's just suffered from this policy right now part of this
155particular policy or not this one that you're approving to what we are still waiting for them to give us quotes on the they have a quote for 1 million we needed up at the 3 million because of some of the county requirements for our grants thank you roll calls miss Thomas yes mrs. Daniels yes mrs. Kitson mrs. Tucker yes mr. Truby yes lady maizena direct command the board doesn't make guaranteed trust life as the agent of record to provide hidden taxes and sickness insurance and football insurance coverage to the graph the Lake City School parents at no cost to the board for the 2021 school year so moved second discussion roll call mr. Daniels yes miss Tucker yes mrs. Jetson miss Thomas yeah Miss Julie yes item 19 is recommend the board approved the class
156of 2020 for graduation as presented an exhibit so moved any discussion question any students that did not meet requirements yes hmm yeah generally our graduation for your graduation rate hovers around 93 percent thank you [Music] roko so Daniels yes miss Thomas yes mrs. Gibson mr. Tucker yes mr. Dubey yes any we do have somebody [Music] find it here let's see miss Bolton will teach us be communicating about summer reading and activities soon we haven't heard anything yet I could look into that III think that probably considering the pandemic we really have thought that that piece 300 companies we didn't have to get together a virtual summer school and she has one more let's see why are we purchasing ionization airflow chamber units if it does not help kill the corona corona virus in the building
157how will students worry masks to be enforced and why I need to plan for the school year to start so late in the year those are questions so I you know I think that we're still in the ideas of looking at ionization from our standpoint we're still working in a plan to ensure mass and who's gonna force it and I don't know what the last question I think that well you know oh your question yes yeah well you know I mean I I think that you know my the big issue with us is trying to ensure the safety security and sanitation of buildings first of all very first of all and secondly making sure the teachers are trained to meet the needs of our students and I really truly don't want to open our buildings
158when we are unable to provide a very safe and sanitized environment that as appropriate education so that's a law in short of the reason that for my proposal for the this whole year starting after Labor Day thank you any other questions questions mr. sloka that's it thank you two things for the board you want to have our workshop on July 13th at 5:00 I do have a question for you president I'm chilly we will we be as board beginning to make the decision about in person when we begin that transition as our board from digital to impersonal meetings is I would have liked it to happen today but I would say first of all we'd have to find I don't think the board office under their current conditions would hold they defy the US administration
159and then people I wanted to commit I believe might have to be at the cafeteria or maybe to gymnasium or subway so it could have a matter we were also looking at the Little Theatre I'm doing a spread out that way too I mean we have plenty of facilities you know that we can choose from the chart you know where are all the board members comfortable doing the in person again with social distancing I'm comfortable we are the social decision we can have more than ten people in a room I thought that's what I wasn't sure of I don't know about that but I can I can surely check with legal counsel I think the other thing you the Board of Education may be a bull look at its meeting in person with this this
160type of streaming environment for public comment yes but but but but we just have to make sure corn on corn our paperwork was appropriate again like throughout beat of the resolution passed I'd say I just wanted to justice it maybe we can do our July 13th zoomed and then shoots for July 20th providing that we have the facility and do it in person meeting with the public in online do that's okay with everybody we'll just have the five board members in hell mr. hankey mr. Patton and his band he can't forget her her she may have to be there if we go through the idea of we have a virtual component so yeah I'm good either way 13th or 20 Chris we do 213 virtual like for doing that and then the 20th regular board
161meeting will shoot for a live thing provided we can meet the social distance yeah yeah maybe I'm sorry Joe you know what now is asking Chris maybe our if I could reach out to the CVCC and how they're doing their their live meetings and what they're doing with the public there hasn't been public last time I actually called in because if we would have : that would have been more than ten people so you're not having it open to the public the last one I'm not sure what they're doing now I'll touch base with hell and see how he's doing the configuration for you all right and president Jim you might take ways I can touch base with legal counsel to see if we need any other paper you know okay to make sure it's
162okay sound a little and then I have one more thing this is a request from the board if we could possibly change the August meeting from the 17th to the 10th or 24 yeah I don't have to know now if we could just do it in the future so if that's okay no problem we need to pick a day with it everybody's going to be available that concludes it motion to adjourn at 8:10 so moved second second roll call mr. Daniels yes mr. Tucker yes mrs. Kitson yes miss Thomas yeah mr. Truby yes and what's against very thank you so much yeah
