001today Tuesday June 4th at 5:15 at Maple Street school at 194 Maple Street Kuka New Hampshire in the cafeteria for the purpose of gathering input on the use of sr3 funds at the Schoolboard meeting immediately following the hearing the board will vote on an action item regarding the use of sr3 funds everyone is encouraged to attend and provide written or oral com comments do you have anything to add yeah so uh Esser is coming to a close as everyone's well aware um so we want to make sure we use every penny um that's obviously the goal when when the state's providing you uh some money the interesting part is I'll say the rule rules have changed a couple times as you can imagine throughout the years they've updated their manual on what can and cannot

002qualify I guess I'll use the fair term is the it's been tightened up right so um where before purchases were being made pretty pretty quickly at the time and now is the funds have gotten um towards the end I'll say the rules have tightened up so I spent about an hour and a half on the phone with the state last week reviewing what can and cannot qualify uh she was outstanding she ended up sending me basically a list of what will be easily qualifiable towards the end of the year more importantly by the completed by September 30th deadline um so with that uh we have decided to use the remaining s are funds for technology purchases what's the actual amount yeah what's so this is where it gets um a little gray what I mean

003by that is I have an estimate right now but that's with if all of the salary and benefit line expenditures would happen right and part of the salary and benefits have to do with the HRA so there might not be that so right now the lowest is $35,200 I'm going to say the max could be anywhere from like 38 to 39,000 okay so what we'll do when we get to the regular meeting is I'll ask for a recommendation from the board to use the remaining Esser funds towards technology purchases correct so to drain that fund down to a zero line balance okay could Matt just quickly share what type of it's me that's you okay all right I didn't know if you do the so we're working uh we've put together a few list items

004yeah uh we want to be cognizant of uh recur costs so we want to make sure we're making purchases that will help um I'll say the bottom line and so that it's sustainable for for multiple years okay got it any other questions from the board not Chromebooks uh possibly because um some licensing some some of those things that have come up uh it's it's better to purchase now and then when we start to get to that it's actually part of that Tech plan we put together a little while ago um we're seeing personal usage as we can see from from flow so there might be less purchases so now might be the time to grab yep Chromebooks teacher devices projectors all all of these things that would qualif I don't know projectors I take that

008anything okay great um and student Representatives Flo how we doing great um it's been a little while since I've been here so I have a lot of stuff to report of course um well since I was on the board there was like prom happened which was great um and very well planned by other kids of my grade there were AP tests there was the celebration of the Arts which was a really good time to see like everyone across the district um we've had a bunch of sports stuff at the high school and middle school uh unfortunately the girls lacrosse lost in the semi-finals to number one St Thomas but the boys had a really good game and they're going to play in the semi-finals on Wednesday um baseball season and softball season are unfortunately over

009softball had a great season and lost to the semi-finals and then uh track did really well this year there division three was really close for the girls teams they like it was kind of a toss up between like maybe five teams they were really tight um but the Hopkin team just had a really good day um for the state championship so the girls team won um and the boys team also did really well and there was lots of representation at the meet of Champs last weekend at UNH and this going to be U MD Lane Shaye Muro and Grace Hall at New England this weekend also at un um and for Middle School sports the baseball and softball teams are in the semifinals and the track team is at States today um um in school

010we have we had class elections last week and it was very fun luckily me and Noah were on a post and we won even though I only gave like one speech and no was in Israel um we're looking forward to next year um there were some some upsets like the entire uh like class of 2026 officers were replaced basically so it was it was interesting um we we're having a silverware trial week this week at the high school um for the metal shelfware that the EAC has been working on all year um and I think it's been going pretty well today I was just in a kitchen and washing um which is a fun experience um we also are preparing for the German exchange which is going to happen right after school end so uh

011we're leaving like two weeks and we've been discussing how to ask for like where the bathroom is and such things um we're also having some discussions about portrait of a learner which I think Mr Mor's going to talk about but there's been a really good effort to get students involved in making that decision of how to make a portrait of a learner at hopkington um and we had a discussion today in student advisement Council we're having one in the student Le ethical discussions in another group um and it's almost the end of the school year so the seniors have basically finished their finals and since since graduation on Friday they're doing all their like graduation rehearsals and stuff I just went to go watch today because I didn't have any classes um it was pretty

012fun and the for the rest of the school we're getting ready for finals starting on Friday and ending on Wednesday so yeah that's up it amazing yeah and the Middle School softball team is undefeated the entire season right yeah yeah it's wild yeah they do really well it's really good did my board report for me so the world of Flo right and every time I see Flo in the high school she's never actually in class I always ask every time I see you you're not actually in class she's like oh I don't have a class right no cuz cuz all my classes were seniors so and they're all like gone now so I just like roam the hallways all day PR fun should talk to the principal about that no I I have a permission

013amazing and any comments for close comments congratulations the championship it's fantastic yes it's nice to see you and your team do so well this year it was definitely a team effort it was a lot of hard work this year and there's like one senior also for the girls so we're going to be back next year amazing wow that's awesome cool four comments Rob um yeah I guess a couple so a little disappointing to see the the Senate um DMR hopes for some more fun um on the one day you know increasing the amount of money going to vouchers um but then not increasing the money for public schools um on the upside the overturning of the divisive Concepts law if you want to call it something by a federal judge um on grounds of being

014vague was kind of uplifting to see that court system is working the way it should work so ups and downs as we keep moving along the highway all right that's it that's it all right I'll be quick I promise all right I'm excited this is graduation week I'm fired up I love everything that this SP this week from top to bottom from our teachers to the parade to the graduation this is their week without making jod cry I'll be short on that but it's exciting to see the success of these students I'm excited to hear that Steph El Val Victorian my neighbor that's fantastic and Adam RoR salut toan remember Mia right there um two wonderful students that will get to hear from on Friday I'm excited to hear that um next thing just a

015couple couple observations you know I run every day as you guys know and running through the high school it was just really awesome to see um the gift from the class of 2023 the words that have been put on the post you know character kindness Community sportsmanship these are traits we need to remember as as a community act that way treat treat each other that way live that way and just seeing that up there um just really uh made me realize how much I love being a part of this CL so thank you to the class of 2023 for putting those as a gift to the to the community last thing shed is done I want to thank Rob Ro George sa um woody woody Roberts um they all did a great job and uh

016Bob the Builder here um did a really great job um putting that to great great use it really look forward to the donation for from Travis with the garage door and uh I learned a lot from him he's quite the Builder so thank you for your help with that it's really appreciative fun couple of days it was awesome I went to the um forensics speech and debate night the other week um and I I got a chance to go to this last year as well um and it's just another reminder of how engaged and thoughtful our students are um it's really fun they're not all seniors but mostly seniors um there's a lot of talk about technology and the uh negative effects of social media um that the kids brought up several times which I

017thought was interesting um and then I also got to hear you know someone's favorite movie and why it was their favorite movie or you know the quality they think we should all have which was patience um so it's just I I really appreciate being included in events like that um it's really neat to see um our students in action and I think we have a lot to be proud of um I have a couple quick things one the retirement dinner for all of our retiring faculty was last week and I think that this was the best year for speeches and toasts I think to all of those teachers and it was wonderful to see um just really vibrant portrayals of their time with us going up to 37 years right 23 to 37 years for

018some of the teachers um and so I also want to commend the teachers writing the speeches because it was fantastic um also Senator Maggie Hassen recognized Flo daus as Ma's Granite stor of the month which is kind of a big deal for a high school junior uh we're very proud of you FL keep up the good work yeah and we can all learn a lot from you good job yeah anything I you guys stole all the points flow awesome I mean I don't think there's many people that can say that's on their resume so that's a big deal I mean a lot of it was because of the stuff that I've done with you guys yeah yeah well you keep showing up and you keep running I mean un opposed but that's fine you're doing

019great well that's great awesome all right cool so now we're moving into current business we have a public hearing vote yep so I'll take it great thank yeah so uh we had a public hearing on the remaining use of the Esser funds kind of went through and discussed um what the state has guided us uh on how to exhaust all the funds um they kind of gave us a list of what we can and can't spend and through that I would look for a motion from the board to approve the expenditure of the remaining yeah I'm trying to phrase it so uh a motion from the board to spend the remaining Esser funds on purchases for technology I'll move that second and I want actually I'm going to put the word exhaust in there because

021but to talk to us about some of the work um that he has done and what what his firm does um since we talked about this two weeks ago as a as a board yeah coming from the board committee EMC just to go you Dosey Do you want to just talk about a little bit of or do you want me to introduce go for it yeah go for it yeah uh so um need the mic yeah just so uh obviously last uh last board meeting with the EMC update I believe we are pretty clear about the the steps that we've taken this year here and uh one of those was interviewing different uh energy consultant firms um that do work um around local schools to New Hampshire and right in our backyard and we heard

022three different presentations and um tonight you're going to hear a little bit of what we heard from energy management Consultants U from uh Tom sein and representing the firm which was uh fully supported by our Energy Management committee thank you okay thanks for having me I'm Tom seins with the energy management Consultants um as Jim said I presented our firm last time I didn't bring the really smart people Joe um and other Engineers with us that have actually kind of gone through some of the schools already to kind of see some measures that you guys have for opportunities to save energy um I think maybe just I get like 15 minutes to talk about who we are but emc's been in Main in Hampshire for about 30 years um we're one of four contractors that

023gets the title of Prof referred contractor by eversource which is kind of a big deal um I don't think I talked about that last time but for their small business program out of hundreds of contractors engineering and consulting firms which is what we identify as we're one of only four contractors that gets preferred status so you get that by competitively bidding on um that status they have to see your pricing your uh cost benefit ratio to the customers to them how you deliver how you engineer projects and then you get awarded that status or you don't so that's kind of something we're we're fairly proud of again been in New Hampshire and Main for about 30 years and 95% of what we do are schools so we've done a ton of projects around you guys

024um I'm going to actually use a little bit of the gtown one because it's fairly close by and it's um Falls in line with a lot of the things that you guys are looking to do here as well um but again I like I said we identify as a Consulting and engineering firm that focuses on schools and our our big thing is is that we're kind of open with everything we show you the U our engineer of course all the do the documentation that goes along with that all the bids from contractors that we get projects from um we show you all of our markup structure so you know exactly where the savings are going to arrive at what your um your cost is for the total project what our cost to deliver the project

025is you see everything from project management time that we're going to build into the project engineering time um warranty and contingencies and it's completely open from that perspective I feel like that separates us from a lot of the loder ESC goes um we just don't simply don't have the overhead so we expose everything you guys see all your Investments that you're making so that's kind of a a big deal um these are just some schools that we've done some projects with and I think he's got the the uh the presentation as well but it's a big part of this is creating a capital Improvement plan for you guys to work from which is what we presented last time and I'm going to show you that document what that looks like it that's what we would

026spend the next several months doing for example in gown this time last year we had been we started the meeting um talking about what's on their Capital Improvement plan what would you guys like to get done what are the priorities that you have and from there we work through that to get as many things off your Capital Improvement plan list that you have and into your project and help pay for it through Energy savings and operational savings what's not you know paid for through that phase one call it you'll then have remaining phases that you guys can pick off from for the next several years um the typical plan is 10 years right we kind of look at this as a 10 year plan for you guys obviously knowing that you're not going to do

027uh gtown first report we identified $34 million in improvements their phase one project is a little over $3 million because number one that first phase was paid for through Energy savings and it addressed things that they had on their list and then we've identified things for future projects so it does kind of create that road map which is what you see here in front of you we just start with the basics to start with which is where is all your cost coming from identifying that but not just stopping with the obvious things like ventilation lighting boiler rooms you know basic uh utility cost we'll look at uh service agreements because we're Consulting an engineering firm we're not here to sell you any particular product or type of product that's proprietary or lent put you in

028a position where we're going to be servicing the equipment after the fact so that's one of our priorities is to make sure that you have the ultimate flexibility when your Project's done that you guys aren't stuck with one vendor to do service on any part of your buildings whether it's lighting building automation boiler rooms um you'd be surprised how many times we walk into boiler rooms and see burner controls that only one company can work on in all of New England I mean you're pretty you held hostage to that that contractor right so when we build our bid specs we have two people from two different sides um of the spectrum looking at these projects which is license HVAC techs vrf boilers gas you name it on our team and then Professional Engineers so they

029look at the projects from two different sides of the world right one part is yeah this will work from an engineering standpoint and then the other guy is going okay yeah but can I service these boilers or can I service this air handler when it's installed that's a big part of this process and a lot of companies don't do that but that's one big Focus that we have is we have two different types of um viewpoints when looking at project so also service contracts um these this little star I've got here can constitute as much cost on an annual basis as your Lighting in your in your boiler rooms I mean are you are you in the right position with service contract servicing the current equipment and will that change when you're putting in new

030stuff right in theory if you're putting in new boilers or vrf for example heat pumps you're not going to have to spend as much money servicing your equipment as you did the prior year so we identify those savings and and throw those back at you but also help you build those competitive documents to get bids from contractors for service we don't Mark that up at all because again we're not a service company but we help you figure out what's going to be the right fit for you guys for the next 5 to 10 years servicing all the equipment that you're installing right um sometimes putting out a survey is a great way to to gain input from the teachers and staff we do this quite often we send it an an anonymous survey that goes

031from typically from the administration out to the staff to say hey give us a little feedback on the H uh the temperature air quality your room lights if you want to do that that's something we do because it it does Garner the best input because that's the that's the horse's mouth right how the teachers are uh reacting to the classrooms here's just some of the measures that we're looking at there's the obvious things like um boiler rooms solid fuel being you know Propel up Oilers I know that you've guys got some interest there solar vrf being heat pumps um a lot of the the the recent incentives are geared towards electrification which is a big deal so that becomes a priority if um and this the next slide basically says that we list it from

032highest priorities being one two and three just for managing this whole process it's a kind of an ease of use thing you look at the sheet and you say all right what are we going to be focusing on here when we did the gtown report we came up with 118 measures I mean that's way more than you're going to do but how do you actually absorb that information and you know typically you have an hour meeting how are we going to take this this information and process it to a phase one so we prioritize it and that list of priorities is depending on what you guys feel as a priority based on what's on your Capital Improvement plan list what's failing or has failed that needs to be addressed then of the classrooms is kind

033of a big deal um what also might be a high priority is that there's right now through ever Source you have a a big incentive on brf that might not be there next year so you want to capture that money that's there um efficiency main switch their their incentives to uh predominantly just heat pumps so consequently schools are now going after heat pumps so that could happen with every Source they change their programs quite often so we'd be focusing on that as a priority One um but it could be life safety efficiency its end of life um and then of just course things that are um aesthetically aesthetic improvements to the classroom LED lights can be as much of an aesthetic Improvement in terms of uh attention test scores all the stuff that goes all

034the science behind it as it is Energy savings so um that priority might be different for you than it is us but we come to an agreement there and this is an example just a snapshot of the of the list of projects that we or measures that we come up with um and you can see here red is Priority One the yellow is two and green is three and that essentially means three would be five years plus probably start planning for that and yellow being two would be um after the third year maybe start planning for and red is probably something you should be addressing in your very next project um once we identify the projects that make sense in a phase one we then get into an engineering standpoint so this is an example

035that we put together a set of drawings um not fully stamped drawings because there's no sense to spend any money in engineering a fully a full set of stamp drawings if it's a measure that you may you may wait you may do it this year you may wait three years so we engineered enough so that we can get competitive bids from qualified contractors and we accompany that with the bid documents that you see on the right hand side then we take that that information and we provide it into um this sheet basically showing you the bids from the contractors so I've taken the contractor names out of course but this is for Littleton New Hampshire we um we bid out their boiler room and we bid out their automation because they have a proprietary system

036in all their schools and they wanted to go to the new platform to start with at the high school and then work into their other schools so we show them the contractor bids um as you can see here from the control standpoint the elementary school or the high school rather ranges from 125,000 to 488,000 clearly when those bids came in something is wrong so our job is to go through those bids with our scope with the contractors in a lot of cases and say what what do you what are you missing here or what are we missing and turns out that contractor wasn't replacing all the panels that the other companies were right so that's a big part of our value as a Consulting and engineering firm is that you could have a bid spec

037and then contractors are really good at working around things to save some money getting in that low bid and then delivering you know um what you get which is low bid right so if we're there watching the work being done and making sure that everything is is getting done as it should per those bid specifications um we hold the money for the last payment for the contractors for you right typically these are done through a taxes emple purchase so we hold that retainage to make sure that they're not paid until the project is fully done because we all know when contractors get done sometimes it's hard to get them back so we make sure that our people who are licensed in whatever genre it is if it's a boiler room the whoever our boiler expert

038from EMC is they check it out make sure it's done right same with heat pumps and everything else so then we take that and we build we take this information and we build it into your actual project um this is the actual document that we build for you guys this is again gowns once we get all these these these measures in here this this is a pretty cool tool because you don't have to this is a 51 pages long if you wanted to know what it was to look look at uh the heating plants you just click on this table this this uh index here and it brings you right to that portion of the project of your report so you've got um Bart Bart Elementary Glen Lake as you can see they different priorities

039because they're in a different situation per boiler room right so then uh that explains our methodology we also include of course your list of equipment um its age and its life expectancy based on ashray standards um and then you can just keep clicking through the report till you get to everything from a generator in your schools um that works itself into this tool that helps you build the project which is ultimately how you get to your phase one and everything is in here in terms of pricing incentives from every Source the savings um and then you can literally just click in and out of this thing to determine what your project looks like but the nice thing is once you cross it out it doesn't mean it went away it's still you know this one

040is Bartlet miscellaneous exterior weatherization that's something that they should probably do at some point but it's not extremely important right now right um so essentially that's how we build the projects yeah and again 98% of these are financed through a tax assemply purchase um once we get to figure out what the phrase one looks like we send it out to Banks um Municipal e Consultants likes to bid on these things Bank of America will bid on it um City Bank TD there's multiple banks that will bid on this and get you the best rate in term um and the whole impetus behind it is the debt is Satisfied by Energy savings and operational savings so you know you're trying to create a situation where you're making pretty drastic improvements but using the savings to make

041the payment make no mistake about it there is a payment there obviously so you're still going to have a principal interest payment every year but you're offsetting your your payment with uh energy and operational cost savings so um so like if the payment was 500,000 we were saving 500,000 so watch essentially yeah exactly and I and I was going to show it here and I and I can so I can I didn't know how much how well people could see this and I know I'm Li limited on time so I was trying to I feel like the micro machine guy I'm going as fast as I can um this is your project right here so you have $130,000 in Energy savings $36,000 in operational savings and your payment is $27 17,000 you can see it's

042the same payment all the way across the board so you do it backloaded a little bit because in the beginning stages um it's not quite cash flow neutral because they added things like a roof to this project that wasn't in there before and of course it's hard to make a roof paid for itself it's 30 $350,000 that has really very little savings right so when you add that to this project um between the savings and the payment it's off a little bit but what the banks will do is they'll backload that interest a little so that you still make still a wash um and this tool allows you to plug in the rate the term that you want the amount of the percentage of the incentives that you want to put down in the project

043so you can see here um we're putting down 100% of the savings which is $432,000 comes off the project so the net the net Finance amount is quite a bit different than the actual project cost um so hopefully that makes sense to everybody I said it's hard to put a whole year of work into um 15 minutes but thank you thank you but what I was saying before I I skipped the gtown meeting we met this time last year took their CIP started our audit it took several months and we literally just started demoing the boiler rooms project that we started the engineering last year so the nice thing is with this whole process is this is truly you're going to be pumping the brakes for quite some time before you make any decisions right

044it'll be next year that looking at doing projects um which is great because it gives you plenty of time to do your analysis for for companies like us it's great to have the summer time to go through the classrooms and the the buildings are empty and then you'd save the fall for Colder Weather to do do like infrared readings for exterior weatherization improvements and things like that because you want that heat mapping but um the summertime is a great time to do an analysis and present you guys in the similar fashion what we look for phase one phase two phase three and then next year you would be looking at doing project s if it fits if it doesn't fit then you wait another year it doesn't matter to us when you guys execute the

045projects um and I've just provided a couple ideas on um some before and afters this is a solar project we're doing for Northwood this is part of their phase one project um sometimes we it can be very complicated so what we try to do is break the building out into square footage and this is the one where we're doing heat pumps in a portion of the school but because heat pumps are so expensive we're only doing it portion so we take things like this and make it easy for folks to digest the information okay so if it's we're talking 30,000 ft what does that mean when you look at it from this perspective it's really easy to see oh okay so that's whole High School Wing is going to be now VF um and then

046we do the same thing and and give you the kind of 10,000 mile view of all right before we make any decisions here to engineer this thing here's your payback here's your cost here's where we think it'll end up before we go and get the competitive bids we don't want to put the contractors through all that without knowing whether or not you guys are going to do it this year next year or wait whatever you know and some Led improvements that are pretty drastic yeah can I ask a question about I'm looking at the cash flow tool so this is and this is the one we've got in our booklet is the golf St so that's a projection going out y so my question is does EMC have historical data of projects that are are

0475 years in and how well the projections line up with the actual numbers which maybe you know for sure yeah I mean a lot of the larger companies larger esos like the national esos hire have hired us for a long time to do their calculations and the LED conversions and some of electrical work so I mean there's projects we've done for a long time that we have that data but it's our calculations that they use to move forward with but so I've got a ton of historical data yeah yeah I mean it just you know obviously when somebody says something's going to be paid for out of savings a little bit of anxiety goes up and maybe a bit of maybe so to be able to see just how well you throw the dart would

048be reassuring to whether or not we move forward and whether or not the public would support us moving forward yeah um gosh I was going to save it I don't know if I sent that to you or not Jim but what we also give you is a complete workbook of all the savings so before you decide on anything you know the final thing we're showing you all of our energy calculations so you get a full book of the energy calcul first of all ever Source has to go through it with us they do it with the fine tooth phone we have to go through the entire room by room for just a lighting project a boiler room we have to show the savings and the cost to them that's how we keep that referred status

049too um they want to make sure that you're they're kind of in a sense looking out for you guys in terms of the cost and savings does this actually make sense so you've also got the utility that's watching this as well um because they're incentivized to give you money to do energy reduction projects right so they really watch our math to make sure that they're being done correctly but we give you all that information I don't think that anybody would expect you guys to sign off on something with1 $30,000 in savings and not want to know where it came from so we break out each measure instead of just lumping it together which does happen right you know because it is the cumulative savings that matters we break it out per measure so you see

050everything for savings um and make it digestible so that you can see it you know don't make it so ridiculous that someone's looking at this calculation going oh my gosh you know we literally look at okay if this is a 240 watts and we're going to go to a 26 block fixture you paying 15 cents a kilowatt hour break it down to that level so that you can see pretty easily where the math is coming from yeah same with Boiler Room same with vrf I I understand that I I guess what I'm just to be clear so like Northwood was an example and I don't know how many years they are in but I would like to know what the numbers look like as those years roll out the actual numbers yeah um and how

051close it hit the projections that that's what I'm sure yeah so you could produce something like that to give us a feel for the the change yeah okay also some schools to call about the savings and work that's being done I mean I wouldn't expect you guys not to do that maybe you already have I don't know but um call other school systems that we've done the word the work with to say hey how how did the work turn out okay because it's not just the savings it's you're not only going to get the savings the job was done correctly right yeah so and when we do these projects there are no change orders to this process because we're not bidding on someone else's scope we're creating the scope and then having contractors bid on

052it then showing the contractor bids but they're bidding on our scope so if we miss something that doesn't make sense um then we have to fix it otherwise you're not going to get to the savings so but that's why we also have a third party engineer check our our work especially with things that are a little bit complicated like going to a brf system heat pumps versus fossil fuel that's a big difference you want to want someone else to check your math to make sure that we're doing it right so do you you know yeah so we'll have a third party engineering firm stamp the drawings along with our Engineers to make sure that everybody agrees that this is going to be it's going to work and you're like would you like be like the

053project manager of this whole thing overseeing the whole yeah okay we're responsible for every contractor that's doing the work even paying them so liability if anything goes a stray would fall directly onto you guys 100% okay we're respons not of the district but of you guys 100% on us okay yeah it's in the it's in your contract okay yeah that's a good question again because we're the ones designing the projects right so yeah how can we H we can't say oh it's the contractor's fault it's our design yeah because when we had our you when we had our we're equip our project here in this in Hopkin you know there was always that middle person who said whose fault was what and everything that's why it's easier if it's all in your corner so awesome

054all in one person's Corner yeah with one with one project manager from running the project so that you know the lines of communication are pretty clear awesome and then you talked a little bit from when you do the entire process of um just for clarification you do the entire process and you might prior you might develop a scope that's $30 million but a district can choose to prioritize $2 million in pry one basically right and then you Bill off of just that as work actually happens not all of the absolutely yeah it there is no minimum siiz project right we we're developing this thing as you know in hopes to have a long-term partnership with you guys not to do one project and then move on to the next we want you guys to do

055as little as much as you want to do that's comfortable that's you know financially feasible I mean budgets are change every year we're used to that right um the nice thing about the taxes EMP purchase use for schools is that you get a whole year of no payments before your first payment is due right so like there's projects we're doing now where their first payment is going to be done or due in like I think maybe gown is July 2025 which is sweet because it gives you time to g under the savings necessary to put towards the payment um so that's the general concept of it all can you talk a little bit more about that funding mechanism is it a lease purchase agreement or yep it Michelle's used them for for a long time

056too I'm pretty sure with with Renee and Robin from Municipal e of Consultants uh so the only one we've done is we did with Seamans for the um the similar project and um we actually I had to actually quantify for seans it was I had to quantify that we actually did save what they said that we're going to save otherwise that we could get our money back and we did save that so okay all right I mean it's by far the most popular I've been I've been doing school projects for 21 and a half years and not literally 99.9% of the projects have done through a t a tax exemp purchase because there is no cost to issue it like there is for a bond um you you can refinance them after a certain amount

057of time you just have to pre-qualify that kind of thing the rates are fairly Equitable you're still going to be probably 25% 25 basis points um more or less for a bond okay but you are bonded into the payment so the the big difference there the gleaming difference is the non-appropriation Clause that's built into a tax assembly purchase that non-appropriation Clause basically says if you give away one of your schools um right in Bank of America's contract for example you can say we're not we're not carrying the school forward any further we're giving it back to the town so everything that you did associate with that school they could come and take the lights out the boilers out whatever and you're not responsible for that payment it's literally it's right in their contract which is

058that's the part that takes the risk away from the taxpayers and you guys the risk is on the bank unlike a bond you're Bond into that payment regardless of what you do right um so I think it as without question the most flexibility um you're only paying on what you're using so say you identify we're doing another school project now where they have $10 million of projects we're going to the first phase is going to be 3 million second phase is going to be going to break it up if they had used a bond they paying interest on all 10 million right now regardless if they're using it all which is ridiculous because that's a ton of money right so they're using a tax simp purchase because they're only going to pay interest on what

059they're using right now okay and most of those comp will do what's called a master lease agreement so we'll approve you for more but you so that way you have to go through the whole process again you can draw it down from it as you want to do future projects great any other questions you guys have any questions about how the fee structure works about I like how I mean I like how open it is I like the transparency and like that we would not be um linked to someone with proprietary equipment just been an issue in the past literally our probably our utmost priority um one of our Engineers is a head engineer for the naval por Shipyard and he spent the last 10 years developing bid specs for federal work that wasn't proprietary

060so he he has our number one designer for controls or anything that could be proprietary because you'd be shocked sometimes people get equipment in there and they don't even know that they just bought equipment that is extremely proprietary and maybe the vendor didn't even know you know that put it in in so um it's a it's a big goal of ours okay I also really like um it's 10% right is that the the fee structure that you have yeah yep but just that you can look at all of the buildings figure out what is all the work that needs to happen and then we are able to figure out how to trunch it over one to 10 years whatever that looks like I I do value a long-term relationship that's sort of based off of

061strategy and trust and savings yeah and all of our engineering costs and development costs is held until you guys do the project so we don't ask him for upfront funding that's a question that usually comes up bless you we usually do it for a letter of understanding or a letter of intent some people call Lois lus and we just there's an intention there to do a project right it might not it might be this year it might be next year it might be two years from now but we hel we hold that cost and I identify in the breakout of the total cost of the project so you see it but it's not like we're asking for $100,000 up front to design all these projects yeah so there's no money up front right at all

062just when we actually start actual work on the project it we will put some money into a letter of intent and I think I sent you guys some examples of some recent ones that we've used but we'll put something in there so there's so to speak skin in the game for both parties that we know that you know we'll use you at some point exactly I mean it's not nearly the amount of money that we would need to recover our total cost but it's something that basically says all right if we walk away from all of this um we owe money that that way we know that we feel good that we're spending the next year developing an engineering projects that hopefully do something yeah solar part of I'm sorry solar part of what you

063guys do yeah in a big way now especially with the federal tax incentive that's out there for 30% of the total solar project that's a lot of money and now a lot of the Distributors that we buy products from like uh lighting projects or whatever now they're carrying solar panels in stock because it's so prominent and so that because of that Supply Demand right the cost for solar has dropped drastically um payback when was when we were looking at these 10 years ago 30 years now we're on average 8 to nine years for payback with solar depending on what your rate structure is is is it safe to say like it's not assume that solar go on the roof you guys have to do your research to find where the best place is absolutely because

064some schools have it in a field some schools have it there there just needs to be that assum we can't assume until do job and report back to us for that's want to make it very clear yeah all right we we hear buzzwords a lot trust me uh we want geothermal well I mean I would I would love a Porsche but there's no way that's going to happen that geothermal system is just not going to work for this particular building right in the case of Northwood for example they need a new roof they need a new HVAC equipment so that is the right time for them to consider solar because it's going to be a new roof new H back so on and so forth but we're doing another school system where the roof is

06520 years old they don't have a half a million dollars to make the roof Improvement so they're going to do ground Mount solar or they want to at least look at it if you have the land to do it it makes no difference yeah it's just as effective and in fact you can actually save some money on install by doing ground mount versus roof easier to manage clean all those things yeah all right any other questions for Tom no do you need a vote from us yeah do we need a vote to approve withc I'll make a motion that we approve EMC to move forward with what he has presented here at our school board meeting we would yeah to approve uh that the district can start working with EMC to start auditing and looking

068calendar that there are one two three four Thursday meetings next year uh and they are identified if you approve this um anticipated calendar um Jody will put them on the website for the next year get invites out invites out also saying these can be adjusted at any moment as we move through the year which we have done y that's normal uh met with Neil last week our annual meeting will be on March 8th they anticipate doing theirs on that Thursday again so we made sure that that worked out and I'm excited about Thursday meetings yeah can I just call out two other things you did an outstanding job is one um part of the reason why we want to have the Thursday meetings that Mike talked about is that traditionally has been hard for boards

069to come back from Vacations or holidays and have board meetings on Tuesday and have everyone be really ready and sort of dialed in U so that's why we're looking to Thursdays and also you'll see the budget work sessions happening in October um and so we have a pretty decent stack there going through October into November as we has been common practice just for the last 3 years um and so we should get excited to spend a lot of time with each other in the fall great that be great does that all sound good yeah the only comment I have is you know I think it's great I just hope that when we're playing the school calendar for major events like it's musicals we can try and maneuver the schedule because so we we were at

072I will do my best to talk quickly um a lot of the sports stuff thank you for taking really did he really did Cover a lot of this I will report that Middle School boys baseball did lose today unforunately um but there another great season the eighth grade class is pretty athletic I will say um we had the prom we had the senior class trip which was a lot of fun the class trip was that whitewater rafting trip to Massachusetts and then we ended the day at 6 Flags no issues it was just great to see the kids having a good time um class elections going on strongly right now well actually have been going on um and we announced so um a lot of stuff going on at the high school um Sports tomorrow

073I think you talked about lacrosse so I won't repeat it there um and Maddie Lane shayy Murdo and Grace Hall are people that I'd like to recognize as they get ready for the New England track Championship next weekend there's a lot of talent there um and if you're interested Tuesday the 11th is our last High School sports awards if You' like to come and congratulate our seniors who are ending um their High School athletic careers it's kind of it's a sad night um but it's a great night to just celebrate um senior activity some of you were involved with um we started our rehearsals we had a great rehearsal today um I just want to thank Danielle Mizer for all the work that she's done um she's phenomenal and putting in together putting together for

074the first time for her this graduation um we have the Senior Walk coming up on Thursday through the schools and then the barbecue that night in the parade so we look forward to seeing the school board there and then graduation on Friday night hopefully the weather cooperates um but we'll we'll look forward to getting that one big piece of news for us um is I worked with Jeff Daly earlier in the year our director of School counseling and uh really pushed him on that I really really like to have the master schedule built and completed by the end of the year don't laugh we did it I am shocked that's all um so uh really that never big kudos to the guidance team and Jake and Matt Stone who who all had a piece of

075this um so we'll be looking to distribute uh drafts of student schedules I say draft because things do change um over the summer but um by the end of this week and then they will work with some students potentially next week for some scheduled changes and get a jump start on that so it's been a while since we've been able to do that um but I'm really excited to to announce that so because that was just a personal goal of mine and getting that done um last board meeting Community change maker challenge I talked about that I'm really excited to report that uh Mrs lir with a retoric and comp class and Chris Borg in biology will be taking on this community Challenge and doing it with one of their classes um so I look

076forward to working with the two of them and with Brent Powell and and seeing what community um topic they want to kind of take on and and and build around and find a solution for so in the report it kind of just gives you an outline of what that would look like um moving on to middle school we just talked about um Middle School baseball uh and softball tomorrow looking forward to that um if the middle school girls are are able to pull off another championship that's pretty cool that they've done that hopefully twice in one year um between basketball and softball um let's see tomorrow or today actually we have the Middle School State track meet at 4:00 that's been going on Parker parter is uh being our school representative there because Dan was

077at the baseball game and then on June 12th Middle School sports awards so a lot going on there um we've talked about career exploration in the Middle School um so I've just given you an outline there of some of the things that we are working on uh Beth Stern has put in for uh a grant through the Public poppington Public Schools Foundation um to start looking at Key keynote speakers and uh supporting the work that we're going to do there so I encourage you just to to take a look at that um she's been working hard on on starting to already think about next year and organizing that so I really look forward to seeing that come into play as we talk about um you know just different Pathways for students um and thinking about

078high school Plus in college but also trade schools military and things along those lines but starting it a little sooner to get kids to think about what is available for them uh After High School um Sarah Broody is doing a chess club celebration she has a great group of kids up there so she's inviting the parents to come in and just see what that's all about at the end of the year tonight is our Middle School SCH concert and the eighth grade field trip is happening next week Canopy Lake Park uh and the seventh grade is finalizing plans to do a walk down to um Riverside to do like ice cream one of those days to close out their year um and I and why I have the opportunity I just want to take the

082over the past six weeks and it's considerable so I won't go through everything I do want to highlight a few um every grade level has gone or is going on a field trip fifth grade is going to LEL tomorrow today was field day it's been long day um it was great though the weather was absolutely perfect the students had an opportunity to go through 12 different stations and they absolutely loved it we did tug OFW in the afternoon raise your hand if you participated in tug-of war Mr Flynn did with the staff it was great um absolutely perfect day if you've been on the playground recently you may have noticed there are two new trees we got those two trees um as a grant from the New Hampshire division of forest and lands they're tulip

083and lyen trees and the purpose is so they grow large and produce shade for our outdoor outdoor classroom area um the Maple Street chorus recently sang the national anthem at the Fisher Cats game a few weeks ago we filled an entire section to the left of us was the baseball team who was throwing out the first pitch that evening so it was great it was nice to see families there and then they enjoyed the game after Owen lman I believe you met him as one of our waste Warriors recently participated in the soapbox challenge he actually made it to the National level wow so it was on zoom and it wasn't necessarily a competition per se where you win a prize it's just to elevate his platform it is online he spoke so eloquently I

086is so much that is happening at Harold Martin I don't know if it happens in all elementary schools or if it's just in hopkington or at Herold Martin but I feel like the the field trips and the community events and all like every day we're doing something which is just so exciting um we've done a lot of Community Based learning we had the vernal pools that kindergarten explored we've gone over to Kimble cabin several different times we did Arts and Science day today um we explored the Historical Society we are so fortunate to be where we are that we can just walk to different locations and really capitalize on the experts in our community and the parent volunteers and family volunteers who want to help us out um the amount of uh families we had

087hooking fish today and teaching kids how to fish was really exciting I got to go out and fish I did not catch anything they all gave me a hard time uh but I did I did try for a few minutes I there was a couple turtles that kept trying to get my worm so I was getting a little nervous I did not want to hook a turtle so um another big thing that's really noticeable right now as you drive into Herold Martin is the use of the Outdoor Classroom so I want to give um a huge thanks to the Hopkin Public Schools Foundation again for that U Outdoor Classroom the preschool is out there every single day both their sessions they're really um capitalizing on the uh accessible platform all students are kind of playing

088and digging we had parent volunteers with some of the fairy houses um they've planted herbs and uh different vegetables now too so they're really uh learning about all the different pieces of outdoor play which is nice uh another really exciting announcement for us is that we have secured enough money for a shade structure to be put up at heral Martin uh if youve ever spent time on the haral Martin playground you know it is G Sun at all points in time so um working with the PTO who gave us a generous donation and then the fundraisers that we've had uh we were able to kind of get that on the books for this summer so that's going to be really nice for us um I know that people are really looking forward to that um

089we've had kindergarten screening going on so we did 42 kindergarten screening sessions um a thank you to the hopkington the town of hington library for giving us the space of the community room um that has been really helpful for us because then we're not in the school or not interrupting anyone else's learning experiences that day and we're allowing the fam's time to ask all the questions they want um it's a natural separation too we've um work with the families outside as they fill out all of their paperwork and then we bring the students inside and kind of get them started uh last year we moved to using the dial four which is an evidence-based screener uh it looks at motor speech and uh academic Concepts and then the families get a report on how their

090student did on those areas once we're scored so it really gives us some good Baseline information uh if kids are on track or they might be slightly behind um um and I always tell pars not to worry if they're like not there yet because we haven't even started they have not even started their school career yet so um it helps us really Target our intervention as soon as we start the school year um and then the only other really exciting piece is that we currently have about 55 students registered for kindergarten next year so um that's either register or in process so um that will mean that we'll need to post for a fourth kindergarten teacher so we had reduced to three um with the class size policy 54 is the magic number um and

091we are already over that so this is going to be a bigger kindergarten class than we currently have which is nice I think we're seeing some people come back so um and then my last piece is I got to have a pizza party yesterday and it was the most adorable and fun and exciting thing ever uh the PTO did a fundraiser where you could auction off pizza with the principal and we got it in yesterday and we had balloons and pizza and fun and it was a lovely little principal moment for me so I even called Mr Flynn and told him I just got to have a pizza party for work and it was great so um that's about it just really quickly the shade's going to make a huge difference and there's a lot

092of effort from the PTO in the fundraising PTA sorry um and you wrote it right I wrote it right right I said it wrong I always get worried I'm going to say it wrong and I did oops and O's doing it right who's helping out yeah what is the shade structure like what is it um it's two triangles is what I think they figured out U Mr rosiki helped us out U kind of plotting it out and Mr Sherman has been integral in it and we have gone out there with the triangles to see how to maximize the shade and they'll put posts in um we also talked about making sure the post are far enough away so no one runs into the post and let's put yellow tape around the post so there's been

093a lot of conversations about how it'll help us but we also wanted the shade structure in a place that was accessible to everyone um the lower field made sense but um if you're in a wheelchair or you have any Mobility you're not going to be able to get there and that didn't seem um like our best plan so just a community effort as a whole yeah great wait and kindergarten is at 55 55 wow and how many do we usually have coming over the summer last summer was over 20 wow so uh I've been watching the number slowly and we were hovering around around 50ish and then I realized that there were five people who started the the registration but never finished it so I was like oh because I was hearing kids say oh

095my update I is a little bit shorter well a lot shorter I just gave my last one on April 2nd so I only have two months of updates to give and it seemed like it just flew by so quick so first and foremost um I still have a full-time opening over at the high school for custodian so if you know anyone uh we're struggling with getting any uh response and feedback from that so um we're going to get a little bit more creative with some advertising in the next couple weeks and hopefully we can plug in that position um I want to shout out the uh custodians like each custodian even in different buildings has pitched in help out and I want to give them props I know especially with the heat and you know

096working in the evenings and um doing some overtime adjusting their schedules they have all pitched in in various ways and I just want to shout shout out them for that uh we have a which was kind of a um a new one one of our part-time custodians has been in retirement so her name is Karen case uh she's done a phenomenal job um as part-time custodian and when I first started she was over at Herold Martin and uh then over the past year and a half has been over at the high school uh true Jem does a phenomenal job kind of sad to see her go um she I don't know her years of service because I think she worked for Food Services prior so I I'll botch up the numbers but I think it's

097spent six years on the custodial side so um just want to honor her so again uh 4our part-time position over at Hopkinson Middle High School I've open as well um work order stats that's uh common every every update but um we're about um 85% on completion rate and uh oh wow for highlights um think of anything grounds from uh let's see uh grounds work from papers to Banners To tree work to lawn mowing to servicing our equipment uh all that has started we're pretty much in that mode uh we also do a um a servicing of all of our snow equipment before we store it uh for the year or two so we have longevity um and then to be honest like this this whole spring has just been planning planning for summer how are

098we going to execute it ordering supplies lining up contractors getting quotes you know I I think you see me at too many meetings asking for public hearing money for all these projects we got going on and just from uh 15 minutes ago now I got more stuff to do this summer um so thank you um any questions just quickly on the banners um Irish electric helping out if you don't yeah so um and I we have a man lift at the high school we were able to get to a lot of the them but that one across from the skate part that's on a on a hill we're like we're not doing this so I reached out and called out a favorite Irish electric I was like do you have a bucket truck and he's

099like yeah I'm like can we borrow it he's like yeah and I'm like really so uh I called him out on it he came over and it took you know 15 minutes but uh looks great the banners look awesome really give a good aesthetic appeal to the high school and I just want to plug our local contractors for helping out aome go ahead so you typically have a higher than 85% you know corrective work order finish race just for it's end of the year we're going to do you a couple points for that clearly haven't been doing anything is there anything crazy or anomalous of of the work orders for corrective stuff coming through is are like end of year painting I a lot of prequest for the summer a lot of hey I'm moving

100this or get rid get rid of this so yeah a lot of little stuff and then you throw in like a major Plumbing backup like we've had two of them uh two of them yeah over the past couple weeks so I was just talking to Matt um about like yeah you ever take a look at your calendar and this is the stuff I want to do today and then you get diverted and don't do any of it yeah yeah that's been quite a few days um over the past couple weeks so but it's cool that all the summer stuff's teed up yeah great looking forward to it awesome as always everything looks great than good there thank you um and then last thing have you you did you do staff evaluations last year I did

101and I've started them this year so we got a couple done already and more in the queue so that's awesome and that's a one-on-one conversation and um but they're not completed yeah I no but that's it's a great practice thanks awesome thank you nice work all right any year special education just advice again if it is specific questions might would have to be in nonpublic but I add that we're heading that way to identify well I know in the report I gave lots and lots of numbers um so obviously if you have questions on those um please ask them just as Mike said they I'll answer whatever I can publicly of course um I really just want to start this whole thing I say it every single year but I don't think it can be

102said enough just how amazing our staff is and just the flexibility and their willingness to be like what do you need how can I help um and just jumping into oh okay we have this thing going on let's problem solve it and let's get things done and and they're just phenomenal um the only thing in the numbers part that I didn't add in the report but I want to make sure I'm talking about is when you look at those pre numbers that percentage is not just the students on an IEP that attend our preschool those are all students Age 3 to five I just want to make sure I'm saying that too but also then celebrate it's that percentage in preschool look at the number for Kinder so when we talk about those preschoolers coming

103in with an articulation error those developmental um expressive language things like that a lot of times those um impairments are remediated by the time they go to kinder and you see those numbers come down it's not a surprise that that it looks like that but anyway we'll get to the questions on the numbers after but I just wanted to make sure I was at least giving that I'm breaking things already so the rest of my report was really just about my hope for the next year my big Soap Box stuff is really mtss I'll say it all the time to anybody who'll listen um but at the end of the day as I wrote in the report we have to maso before BL if a kid's Basics needs not met it doesn't matter what we're

104teaching them it's not getting it's not coming in they it's not a won't it is a can't access and I think that's a really important thing to talk about so most of the work that I'm doing or or want to do over the next year is still going to be geared towards that philosophy because it's just who I am as a human anyway um so really just understanding that that foundational tier one universal stuff that we do that has to be strong not just academically but from a behavioral approach approach standpoint from anal standpoint social emotional learning standpoint um all of has to be strong um or the things that we do within tier two and tier three can't be as effective um part of that for me is just articulating levels of existing support

105we already have um really understanding what does it mean to have a student support plan how do we get there what do that mean what is the progress monitoring for that in comparison to either a 504 or an IEP and things like that what does that all look like in making sure that we all have the same understanding um so that's my work there um as you saw in there the Lea capacity is a is a big to do how many meetings we have in a week a day for me a day this week I had five yesterday had four today I have six on Thursday like that's just IEPs those are just to meet compliance that doesn't include an IEP Amendment let's go over and talk about esy let's just have a quick progress

106review I mean those little things that can happen um three and those are unofficial numbers because all I did was literally print an active list I went through the entire thing and said how many do I know we've had just on compliance standards and I added the like so it's kind it's really unofficial it's not I went through a calendar I just kind of estimated um but you add to that then from an Lea standpoint usually leas or myself were one of the principles building coordinator at the middle high school vice principal and then we do have teachers in each building School sites who are also jumping in to help whenever we need it but if we're doing that many meetings I'm not doing my job I can't do my job and so just trying

107to find that balance how can we become more effective in that I think we did a great job this year of making strides towards making that more effective but there's still work to do so that'll be some of my work over the summer um and I've already yeah that's pretty much you know my big plan over the summer it's it's about all that Effectiveness and making things more impactful I just want to quickly thank you for putting together the data I know I threw that at you um as a different type of report um it's something that we might do more often depending on how it is not just the end of year but thought it was a great snapshot to kind of show the current situation we have going on especially around the discussion

108when we talk about budgeting and people always ask you know what's special education and um you know you're kind of dealt a hand you are remember these are legal requirements legal contracts these aren't things that we get to say no to or no thank you so and to add to that to get back on my NF box for just a minute if we think about that our trees or triangles whatever you want to call them we always want to see only about 20% of our students in that tier 2 tier three and if you look at those percentage numbers how many students special education numbers if we're talking only tier three and not having a tier four and all that is tier three and we only have a couple of classrooms that are below that

10920 you know like as far as we specializ should only be about 5% give or take but if you look at what our numbers are we're it's to me it's numbers that show that change is needed not because anybody did anything wrong but our students are different how we're asked to address them are different the legislation is different all of those things are there um so it's just looking at the numbers and using them to make decisions wait so we we should be at 20% for those numbers or we should be at 5% so special ed tier three you goal is always to be about 5% ah different tier no yeah at the so again that's right there's lots of things that come within that yeah but if you just so I'm just taking the

110overall of the 20% we're talking about those kiddos that need intervention pretty high for just a tier three part okay we're not the only ones by the way this is not a Hopkin issue this is a regional Statewide issue for sure yeah although something I've also noticed just looking through is that over time the percentage does go down so as generally speaking as students move through through the district their percentage I guess having a little more information about certain classes I can seeing in certain classes where those numbers have gone down over time which is great and and some of that is due to not so much that the disability has remediated or anything like that is just what they need is no longer specialized instruction so somebody that has a specific learning disability or

111either other health impairment if they no longer need specialized instruction that's a different plan um so they really then it might just be that all they need is accommodations that's a 504 plan so it so some of those numbers decrease too because as we're talking about what their need is to make sure they're maximizing the time in the classroom getting all that feedback from what's Happening Real Time with their peers as they get older that typically is is what we see right I think the data is great um you we talk do mean you know the uptick over the last couple months but just just a comment just to you um you praise your team We Praise You Back yourself you for what you do for all our students and your team you know it's

112it's a tough job you know being able to do what you do and find the best way to educate our students so I I want to thank you um a lot of people praise the work of the responses they get back from you with any questions I think it's great to hear that thanks sorry a lot of say the one other thing that I really appreciated that you added was your your third bullet um the effective Communications I just you know I know as a board oursel we're kind of continually looking at how we can improve Communications and I have an appreciation for how challenging that can be um because sometimes what you say isn't what is heard or um you know you have to say things many times differently and I I always appreciate

113when folks are willing to continue to work on that I think that's so helpful so I like it I appreciate itk thanks Mandy great thanks Mandy Matthew so yeah there's definitely uh less fun stuff going on than there is in schol so I'll try and keep it brief but um I wanted to Echo some of the comments I'm so appreciative my staff I know I commented about a busy assessment season um and really that went extremely well despite some new software going on uh the AP the digital AP exam was new for us this year U Mike Cody at the high school does a fantastic job uh really tracking that stuff down making sure that he's on hand to make sure that any problems are taken care of right away and despite a late start

114due to room availability I think our students were able to complete that TX successfully so very pleased about that um it's an interesting time of year because we're living in three years right now we're racing to complete one deep into planning for all the projects that will go on this summer but then also reaching ahead to plan for a third year in the next budget year uh you know with budgets coming up very quickly after the start of school uh we're deep in conversations with all of our uh vendor Partners right now in terms of seeing what's out there making sure that we have good information and pricing on moving forward um for all those projects we'll be proposing in the fall um and it's an exciting time of year too you know you get

115a chance to really take your plan from last year figure out what of it is still relevant and uh what has been overtaken by uh time and it's always an interesting work so that that's always a great fun and then um I just wanted to say I know I mentioned a little bit about cyber security in my update um I had a chance today to attend the New Hampshire uh digital governance Summit that was put on by the state uh Department of it and it was really aimed at sort of state agencies municipalities and K12 um and we had a nice mix of all three there uh and looking at sort of you know digital issues modernizing systems cyber security the role of AI and all of this uh it was really an thoughtful U

116presentation that I really appreciated at the end of the day there was a presentation from a uh law enforcement lawyer um sworn officer and lawyer for a Florida Sheriff's Office about a ransomware attack that they suffered and going through all of the steps and all of the things you he wished he had done beforehand to prepare um and the resources that they could call upon and I thought as we were going through it he sort of said do you guys know about this and I was sitting with a table full of tech directors and thanks to really great support from three organizations over the past couple years all of us said oh yeah we know about that um and that's the primex our insurance carrier uh the state department of it which has really stepped

117up in the last couple of years and is providing a lot of support for State uh k12 and municipalities and then uh the federal uh cyber security infrastructure Security Agency I never remember what cesa stands for but anyway uh cisa which is the federal cyber security um organization ation the three of them have really uh all their representatives in the state have sort of wrapped their arms around k12 and said how can we help because we know you don't have a lot of resources so we can at least help with training we can help with u discounts on some products it's really wonderful to see um and to say oh yeah we know about all that we don't necessarily have the time or money to do all of it yet but at least you know

118the training is there the knowledge is there uh and they've really done a nice job of saying what resources there are to draw on so always good moving forward I would also like to say that taking uh field trip forms online is a huge Boon at least for this parent I don't know about everyone else but huge win so okay thank you when they they off or they forget to bring it home that's right yeah good work yeah um also um I know that there was a glitch in the Aspen service I think the last time report cards went out and I think that you are also nicely responsive for a Friday night roll out which I appreciate from a tech administrative side we did manage to send our report cards home right before a

121never going to hear the end of that one all right gag let's hit it okay well um like Jim I did a report in April so my report is fairly brief and just kind of a synopsis um if you don't mind I won't speak to it unless you have a question about it um well you're going to talk about yes two pieces of it so I think that's okay yes we'll talk about obviously the cryto and pieces in more detail um I think my only question was that's obviously a ton of professional development and sort of your broad thing so do you when do you start mapping up the schedule for the following year of looking at like what is the content what are I know you have the days and you have for a

122month maybe but like how do you think about mapping that all out yeah so we actually already thank you thank you I hate we needed that we already started to sketch out like when as we were building the schedule the calendar for next year we were mapping out and starting to build the schedule like like so it's um Loosely sketched like LGE ideas but it gets F and then also I remember two years ago when I was a newish board member peppering you with questions when you were new in your all about um staff be backround PD did um I'm guessing that that's ongoing which might be an assumption but do they also submit any um suggestions for what they want to put on the PD docket yeah usually ask at the cool awesome that's

123awesome great my questions we've also um we've also shifted some of the time to be more like free choice time where they kind of free choice should they kind of like say this is what like like June 18th will be one of those days right put up some options or they can kind of something separate and then we go from there so we we' built in a little more time for people to kind of have some Choice over the types of PD yes and my last question sorry under PD my apologies is we have so many new hires coming this year so have you thought about how and who you want to match with and like the Buddy program yep so we have a full Mentor program we've done it for two years moving into

124our third year um I just met with the mentors of this past year got some great feedback um I was asking specifically about people continuing in the program for two year two and three kind of changing it up a little bit for them um so we kind of brainstorm some of that but yes the principles as they hire people find a mentor in their building um that would align to that person and then we have a a day set aside for new teachers that we do at the beginning of the year that's awesome they have their own special well you talk about the Buddy program in short terms like after the first year there was a lot of feedback specifically at the Middle High School where we may have paired them content wise but there

125was challenges in having those Communications because they were one was Middle School one was high school um so this year we did a better alignment of that and that Trend will continue in the next one so more easily accessible throughout the day for things that may may pop great yeah well it's been really positive people and people have been positive oh I'll say this this was interesting um somebody who was on an interview committee at the high school noted that every every single person they interviewed when they said do you have any questions for us every single person asked do you have a mentorship program great so that they're happy to be able to say that's awesome excellent thanks Becca okay um report cards this is more a curriculum assessment committee than me personally um

126but there is a report that we generated from the CNA committee um that just speaks to your school board goal that you had at the beginning of the year that you defined and kind of kicked over to CNA committee and so this is the the work that we did on that goll this year I asked this during CNA I'm going to ask it again because I think it's helpful for people who don't live in the educational World um but is there like a um Cadence to when districts typically look at report cards based off of shiing curricula sort of as the vision the district and our educational system evolves yes so so to date a lot of that work has been done by school like each School building has taken it upon themselves to review

127report cards um we're shifting that practice more to a district level through some of the work that you started here with this school um just so that we have some continuity in the ways we assess or the things that we value that we're assessing um and yes things like curriculum changes um um standard shifts things like that review of competencies may help us to kind of reshape and relook at changes in reports great so the this year we did the technology Capital plan so to speak we had the CIP we're really going to look at this summer on like a curriculum instruction Capital plan on like when to review report cards when to we there's more check point um just so also comes back to that question why now right so to begin some of

128those timelines so that there's consistent review yeah great all right's my big one oh it blows on us all the time we're all good there yeah okay cold all right so um Mr F asked that I start with a kind of a huge Eagle eye view Hawke eye view of data right now and I um I'm just going to put it a caveat I chose New Hampshire SAS because that is our state assessment um the caveat is um we've just finished assessments the ELA assessments have not been scored by the doe yet um they are hand scoring this year because they're re-calibrating their systems so we don't have any of that information so I want to just give you the data um explain to you what the rainbow colors mean but I'm not going to

129talk about a whole lot I'd like to come back and talk more holistically at the beginning of the year when we have a better data picture um just so that you're aware as well um with the different you know pilots and things that we've been doing um we are finishing our as web and things like that but it's been a a slightly prolonged um spring assessment season so we're not really ready to present on all of that yet um so what you're seeing interesting um if you go across the chart like third grade fourth grade fifth grade sixth grade across the chart those are the different school years and that is the percentage of students who score proficient or above on the New Hampshire stas for math if you follow the color so like if

130I call if I follow that blue down through that is the cohort of students so you would see how performed in third grade at 61% you don't see a score in 1920 that was the co year we did not do any assessments at the state level um and then you'll see for 2021 2122 and progressing down um following the color blue wow sixth grade they crushed it I want to highlight a couple of things um first of all there is an asri which shows you where we started the um ustra implementation at the different grade levels um I really want to highlight the work of sixth and seventh grade this year um in math they have um I I I would say a lot of our grades have done an excellent job embracing the philosophies

131of of IM um illustrative math and understanding that it's really um problem solving for students and that's a shift in the way we teach and then um earlier this year sixth grade seventh grade teachers um of math did some professional development around something called building thinking classrooms um and they have really embraced like this it's the same philosophies of I am but it's like a an instructional howto guide that they've overlaid on top which have really given them um easy quick things to do in the classroom to make the math come alive so how do i group my students how do I explain a task um how do I intro something out so where the structure is available in I am these are like the nitty-gritty how does it really look in action that got

132overlaid on top and they've seen some tremendous responses in the children um in how they are approaching math and their willingness to persever Through Math um I will I just want to thank them um publicly last Friday we hosted Molten buror School District um they came in and did some observations in seventh grade and in sixth grade and met with our um math specialist as well to kind of get some input they're thinking about piloting um and just the amount of um thoughtfulness and reflection and preparedness that our teachers had just blew away the molten Boro group that was here they were highly impressed with the engagement of our students um with the the time that they got to you know talk with the teachers and ask questions and and understanding our teachers approaches and

133the why behind what they were doing was pH so I really want to um support that the work that they've done and and highlight it because I think it's so result moving on science um we've got some scores that need some conversations and I'm going to say that way um it's a little we've got some things that we need to dig into and I think we need some time to to dig into that to understand before I feel comfortable speaking to what we see as results um suffice to say they're they're not where we would like them to be but they are well within the state averages um that doesn't make it okay it just makes it well within State averages and something that we personally would like to address and it's a lot better

134in E grade than the other a lot better in lot of color yeah but these ones you don't read down the color um it would be really hard to I mean you can I mean those are fifth graders but they're different are they they're different cohorts yeah they're not it's not like the other one where you're following grade this one you're not you're just looking at snapshots in time so you don't use a color from yeah don't because you're not going from fifth grade in 2122 to 8th grade in 22 23 right okay so the colors yeah don't like the colors all right I'm going to move on to the English language arts and again this is where um we do not have our results back yet for the for this the this year's assessments

135um because the hand scoring um so we'll kind of put this on hold and speak to it more later on if that's okay staring at it intently but I'm going to move on is that okay yes all right let's talk a little bit about um some significant work that was done this year around English language arts um this work actually started before I started um so I just want to highlight that um a couple years ago Harold Martin Elementary School really started to talk about the science of reading um it was early ad doors there they did some book studies and they again kind of like building thinking classrooms in the math World they looked at um Shifting the balance which offered up some you know small changes you can make to start to convert

136classroom practices more line to science agreement um from there last year the state offered us um the ability to do letters training um which is heavily rooted in the science of reading and it's a whole different approach to how we um instruct in the areas of uh in all aspects of English language arts um the vast majority of our teachers signed on to one of the different four Co I'm extremely proud of our teaching staff it's a huge commitment to take on that additional professional development um and that extended into the middle school and even into the high school we had people who took advantage of the training um and and we saw some some good conversations really start to to spark so along with that last year being my first year it was an

137opportunity for me to really um get into classrooms to meet with teachers to sit in on their um um professional learning communities and start to listen a lot and ask questions about you know what's working where you at how are things going um a lot of anecdotal stories about we really need to help with writing we really need help with our word study we need help with spelling we need help with early foundational skills um so lots of perceptions of what we needed to do and a lot of eagerness to to jump on it right away but we knew we need a little more time to kind of study it so this year um we took that time um in November we built a a an open group it was just an open invite to

138whomever in the district was um able and willing and interested in participating in an English language arts work group we had 26 people volunteer to attend um that was from Harold Martin Elementary Maple Street Elementary and from the Middle School we had um teachers in speci invested in wanting to be part of it so the work group was formed in November came together um amazing conversations I was just I was blown away by the conversations I will say um the first kind of things we tackled was create a go go for ourselves and completing A needs assessment um so taking some of that anecdotal and some of the the what people felt like they needed from last year's conversations and kind of really looking at it this year so we looked at a lot of

139data we looked at a lot lot of our assessments and our results and strengths and weaknesses we looked at where our students were at demographically some of the numbers that Mandy talked about and and other demographics to understand we looked at our staff demographics like how long a different teacher's been in our district when were they hired what were they trained in um things like that we talked a lot about what do we have that works um recognizing that there definitely are pockets of really good things happening and how do we you know celebrate that maintain that and then where are those gaps um so we had a very comprehensive picture of what we needed and from that we created a vision of what Ela looks like um in our community so that Ela vision

140went to all the different um grade levels and it went up to the high school it had some refinement it went to CNA for adoption um and so we have articulated what our vision for ELA is um as that work was progressing and mind you these are like more than once a month meeting sometimes we met every single week so I just want you to um really Envision what 26 Educators coming together on a bi-weekly sometimes weekly basis for an hour an hour and a half they gave a lot of time it was a second job for them um this year to do this work but that's how passionately involved they were um and it was I I appreciate that they recognized that it was teacher-driven and they really wanted to participate in something that

141was truly teacher so um to that end um me as kind of the coordinator of the group and the organizer and the person who sent out the agenda um one of the jobs that I had was to also um call through the research and provide them with um what different opportunities would be they came to the point where they um built their goal and they decided that although we have pockets of greatness happening um there are there is a need for for something a program that unites all of the grade levels that has a common language that the students are know learning in kindergarten and is carrying them through that does not rely heavily on a lot of teacher generated materials which is what they do now um a lot of the things that they're

142creating themselves are in team it takes a lot of time um we're recognizing that we have more retiring staff than we've had in the past and therefore we have more new staff um making sure that new staff have supports and materials and and things um and that students experience regardless of your classroom teacher at least has the same Foundation components to it that's those were all values that the teachers Define for themselves and that's what let us down the road of finding a new program that would help meet those goals um so with that in mind we um looked at what's out there we took 10 of the top best we narrowed that they did a lot of research on the 10 they narrowed their 10 down to four um through a lot of conversation

143back and forth with each other over course of a couple meetings they narrow the four down to two um and we decided to Pilot those two um we did know from the beginning that we were going to work on a a an expedited timeline um we actually paused at one point and took a vote to make sure that people were still comfortable um this was a very veteran experienced group of educat they felt comfortable so we agreed that they would pilot a unit in each of the different each of the two programs um so they did their pilots um while they were doing their pilots very interestingly mid April the state um announced a grant a competitive grant that we were eligible to apply for um and so that was part of my rule in

144all this um I did apply for for the grant in the background um and then they moved through the the training and the pilots and the work we got to the end um we built a rubric of the different criteria that they were going to score out um I I built the you know the template of it put it out got feedback revised it and put it out for real people scored against it and they voted or which of the two programs that they wanted um any time you do this you know it people put a lot of heart and a lot of energy and emotion and professionalism into these programs they become invested um obviously you know people chose one program other people chose a different program um there was you know some some

145discrepancies in preferences um we decided to you know use that rubric to to in the boote to kind of um decide where to go um so amplify CK is the one that came out um as the as the lead in both point total and in vote total so we we broke down the points by category and then also um the overall vote um there were some people who for various reasons didn't feel totally comfortable voting um that's a personal choice it's okay um and so when we got to the final meeting we kind of went through of all of our data reviewed where we were um they I I was really proud of them because some people were very passionate about what they wanted and when they realized where we were going um they switched

146GE pretty darn quickly and said okay then this is what we're going to do we opened up a fresh Google doc that we shared with everybody and we said let's start identifying you know what are the what are the potential barriers things to consider what more information need from the um what do we need to discuss with our administration at the building level and so we've been collecting um this ongoing document where we questions and answers um as we move forward so that we can kind of anticipate what's going in um I mentioned that Grant so the grant was a twoe window it was due April vacation um it submitted a grant for Harold Martin Elementary subm submitted a grant for Maple Street School and we did not talk about the grant again until after

147their decision was made so it was really important that this decision was not driven by money but it was driven by what they wanted as a program um it was actually very sweet some of the people on the committee said this is one of the last major decisions I'll probably make before I retire this will be my legacy and I want it to be right so so that's how that's how invested they really were so we did not talk finances of any programs at all um so after the decision was made and we had the Google do and we were working I said here's one more piece you need to know um and that's where Schoolboard comes in tonight um the grants that we were invited to apply for were between five and $25,000 um

148we decided to just go all in swing for the fences so we put in everything we would need to launch this successfully at of Martin and then everything we would need to launch this successfully at Maple Street um we received both grants in full uh full amounts so we received about $76,000 for Harold Martin Elementary and about 39 almost $40,000 for Maple Street so um it was tremendously exciting to be able to to say that so that's kind of where we're at okay all right questions for Becca questions yeah I just wanted to um Echo what uh Becca was saying about the grant because that that did come up in CNA um and we had um a teacher in who in CNA say specifically she really wanted to highlight the fact that they were fully

149they they made their decision before any money was discussed um you know and she even checked my notes as well my minutes to make sure that I captured it correct cly um but I I appreciate I know in CNA we would get updates about the ELA work group um I appreciate how teacher centered and teacher driven it was um and that we were able to find a program hopefully that really does help um not align but but something that multiple you know k6 I believe will be able to to use okay just one of the points I'd like to to Echo and the turnover right so the retirees versus the new hires in this experien is whether they have Mr Flynn or Miss fom as a teacher let put some guard rails in place on

150the repetitive stuff so it allows the the track to go down but at the same time the teachers uh are using their own materials for for lessons and meaning like this we're not teaching to the program teaching is an experience yeah we've t a lot we've talked a lot about Fidelity versus [Music] Integrity you allows for the professional just really vaguely can you explain to me what exactly the grant can be applied to like yeah thanks so um obviously a large bulk of the grant will be the up The Upfront pieces um for um the classrooms like the class kits and things there's a you you know how I feel about professional development there's a lot of money in there for professional yeah um and then there are um first year implementation costs we were

151also able to work into yeah so consumables are would be the repetitive cost um we've there's been discussions about the grant being reopened from the state again um but that is my job on the budgeting side to make sure it's not a increase cost but rather a replacement cost of whatever we currently may or may not be using to full Fidel um so when you hear the total number of 110 that's not all of a sudden next year we're going to go up 110 um heavy heavy professional development which is typically the most expensive when you're launching and then the like a l of math it's consumables so it alleviates budgetary pressures in our budget then some of this coming through well launching anytime like this is expensive yeah and U so this helps alleviate

152the launch costs okay and then we have to uh if the grant stays open like we anticipate cover another another year possibly uh if not we have to do some work within our budgetary lines to to offset the consumer last question is the grants for one year correct so you have to use it all for one year or is it even shorter yeah it's it's quick September 30th whoa yeah so it actually works out really well that we have the in the June days we're going to frontload PD during June our June professional development days um which is excellent because that'll give them time leading into the summer curriculum to it actually worked out really well there nice job spinning for the fences PR money I got two questions so people have done ton of

153letter training over the last two three years how does this program dovetail with that training then the second question is how does this get personalized to kids of different reading levels yeah thank you for both so the first question um this was this was kind of exciting in in May May 1st actually the reading League um which is a national nonprofit group um released their own reports um reviews of programs um specifically looking for programs that were aligned to the science of reading um amplify ccla is one of the ones that they reviewed and it has very high Mark uh marks across the board it is um a an excellent DTA with the letter training that people the second part yes so my second question was yeah I previewed the wrong video where amplify offers

154different options right there was an assessment option and then there was a personal intervention option and thank you for the stuff that came back and said that's not what we're do so then the question still persists like yeah how do how do we still do that and how does this program help us do that or does it not matter yeah so a couple things so like within the class tier one which mean like in your classroom instruction dayto day um in the in the teacher materials that they receive there's like margin notes which talk about grouping and how to how to group how to um extend for some students who need extension how to um pull for students who may need like other skill remediation first um part of what amp I has embedded with

155it is a an intervention toolkit um I I will say their online supports are phenomenal in this program so they have this whole intervention toolkit so using some of the built-in assessments the teachers will do on a regular basis just the formative um sitting with a student listening to them a read marking things down as they go um they can then use this intervention toolkit as can Specialists case managers and others to pull what students may need either individually or in small group for instruction so there's there's some differentiation options um built into it what about enrichment yeah yeah extension activities are there as well um was nice but something we're going to need to talk about so it's on our list is um you teachers aren't locked into just looking at their grade level

156material they're allowed to look and see from other areas um so especially in these first couple years while the program is new to us if fourth grade needs to dip down into third grade or dip down into second grade or dip up a little bit that's where we need some of those conversations but we have the ability to kind of um pull um to help us we are we are interested in conversations and this will be part of our professional development about where our students are now and where the program's expectations may be and whether or not there are gaps there and what they look like if they're there so we'll we'll be having some pretty good conversations around that so there's a curriculum map which you you have the flexibility to move within that

157map maybe with some students maybe with your class yeah so they have um Scopes and scope and sequence and pacing guides what they have is they have these um built-in pause STS they call them and so you can either so they say you know there's x amount of days of of content to teach and then there's certain days that you can can take a day to um break into different groups that are remediation or extension groups on that day during during the ELA time or you can take your pause day you know broken into little segments each day and have some time there so they they give us some flexibility in how we want to to use that to support students individually I think you being an educator work work groups not committees work groups

158um are certainly challenging and navigate right so whether it was a 6040 vote 7030 whatever it may be there's obviously a disappointed section of Educators and it can feel like we weren't listening or might be challenging of in introducing but now that's our goal on our side to to show them maybe what they didn't see during the pilot or how we can help support them and that's why those costs of see later that's why those costs of professional development are so high is because you're really teaching them how to make sure they're accessing the parts they need for their classroom um and the feedback is going to be so important for this to start from from the beginning of of who who may have been leaning another way or or may have saw a benefit

159of the other program but what can this program do that maybe we miss so we want to make sure we're supporting everyone that was on the committee um it's never easy coming to uh as we know 100% of anything um but you're just trying to move the the biggest mass and really I I just want to emphasize the experience you have within the classroom in the common language we see it in illustrative math we're seeing the growth when it's going from one grade to the next so I'm looking forward to that this I mean this is one of I know now I'm rambling and I'm sorry but it's like um it's hot it it's hot I'm just saying so your brain's melt I know no it's the this is one of this this is one

163already it's been a quick year um Middle School you know with a large seventh grade and then throwing a schedule change on top of them was a lot um for them to digest um from the start of the school year um we recently surveyed the Middle School staff we and the survey was separated by teachers support staff uh World Language and unified art teachers those are three groups that kind of work within that schedule um because I wanted to see individually by group or Department if you want to think of it that way um how they would respond to the survey questions so um some of the things that came out of that survey uh in regards to what you know worked well um and this is a majority of of the answers that were

164in the positive um that they thought that the overall structure of the schedule certainly was manageable for them you know and that's important um because they went from seeing classes every other day to seeing the same group of kids every day so that manageability for them they thought that worked well uh again having a common prep time for them to plan for interdisciplinary activities within the classroom um or to plan for field trips um like the Kimble Pond trip that Sarah Brey does um or any other trips or any other great specific level topics that they wanted to plan for they have that and they meet every other day to do that um and a strong majority of the teachers also believe that they had enough time to teach the material and the content within

165that 55 minute period that they were planning for um so again one of if you remember one of the things that I was talking about when I put this out is part of the rationale was to increase that class time over those two weeks which we increased instructional time by 200 minutes over those two weeks um which then also leads me into that they were still able to meet um their daily learning objectives so um being able to have their students still demonstrate um they're learning similar to what they have seen in the past um so we we don't believe that we've had learning loss from this we didn't expect that from the beginning but that just solidifies that just coming back you know their feedback um and a majority of the staff were satisfied

166with Hawk time there were a few that weren't um so why that's and Jake we'll talk a little bit about that but that's something I think we need to look at and review um and what that and kind of dig in mind into that a little bit more um and another important thing I think to to point out is that because we redesigned this schedule we had fewer High School classes in the high in the Middle School um than we've had in the past past if we looked at schedules in the past we were utilizing our science classrooms and other classrooms for things like World Language or an additional math class upstairs um we've been able to reduce that we've only had uh one social studies class up there and one high school math class

167upstairs so we don't have any high school students upstairs um like we have in the past so that crossover is important that we limit that uh as much as we can so those were some of the things that came out of that survey that that teachers wanted to point out um and I I'll turn it over to Jake to talk a little bit about some of the things that we need to look at and consider as we move forward to next year y i I think we've the middle school schedule was big shift this year and like Chris was just a lot of positive things that came out of it um but we've now we've been through it once now um and with school stuff sometimes you don't know what you need to change until

168you've lived it and so now we've pretty much lived it for the whole year some things that came out um we had most people were satisfied with the length of the classes but a couple folks were not so that's something we need to look at uh one thing that popped up from staff was the amount of time that they had to prepare and if it was enough for them to be ready for class that was like kind of half and half uh so that that was something that Chris and I have talked about that we need to look into and dig into that a little bit more and and figure out the prep time piece of things um a challenge that came up was time in the day to catch up with students who had

169been absent if you think about the schedule that middle school kids had last year they had an 80 minute study hall and then they had a half an hour at the end of the day in advisory and now study hall is gone they do have Hawk time which is which is 50 minutes but that overall time is reduced so trying to catch up with kids who have missed school for whatever reason has has been shown to be a challenge um and I think Hawk time in general is something that we still need to figure out we had some good conversations this year with the middle school team and they tried out some different things but I think a big challenge for Hawk time is that like I was saying we used to have study hall

170and advisory now we just have Hawk time as a flexible time in the day so that means Hawk time has to become a lot of things for both the teachers and the students so special education services catching up with kids who have missed school remediation uh enrichment like a lot is happening in that time which just means that the the level of complexity has increased and it takes a bit more for teachers to feel like they are using that time effectively we have some software that the teachers have used this year the high school used it also but middle school has tried using it for Hawk time and that has helped um but I think we still have work to do in that area but this now we've lived it we've got kind of our

171Baseline and I think we're ready to look at um how we can improve for next year so so we and and as the year was progressing you know Jake and I will 10 team meetings um almost every single day unless we have an IEP or something else that's come up um you know and in the seventh grade they were talking about this the time piece um and getting kids caught up if they miss class and you know one of the one of the suggestions I offered them you know because you are meeting you know you have so many more minutes this year every two weeks that like taking every other Friday to either do some enrichment for those kids that are caught up or sit with those kids that need some REM mediation um to

172get them to where they need to be um so those are some things we're going to have to revisit um the planning time is um I know that they find the time valuable to collaborate with their colleagues but maybe they don't need to meet every other day like they are now maybe it's just on Monday um or on a Wednesday maybe they just meet once a week and they meet for the whole block um but then they have four full prep periods I so we we just had to talk to them about some ideas and and things that we have and kind of pick their brains on how do we address some of those things that came up out of this survey so can you just remind me like so how many um blocks periods

173in a day for the middle school and then how like teachers have one prep block yeah so they start their day with that prep of 80 minutes and while they're in prep then the middle school kids are either in World Language or one of their unified art classes and we kept those blocks 80 minutes because they're all those unified art teachers and World Language are also teaching high school so their schedule doesn't change so they're consistent uh with what their day looks like and then when they're out of those classes uh block one then they go through four periods of their core classes and then they end the day with their Haw time um one thing that didn't that I'm not sure came up but I know we've also had questions um or not questions

174but feedback um is you know we also have our Performing Arts during that Hawk time in the middle part of the week um and we had some students who you know um for one reason or another uh Dro band or course um to be part of hot time and I would assume that some of it has to do with social some of it has to do with the activities that may have been happening at that time or that they wanted that time to maybe get some work done um so that's that's a hiccup right now and I'm not sure yet how we address that what was the sense from kids who experienced longer block the seventh graders that are now eighth graders doing the 50 minute or 55 minutes what was there um good question

175we had we just had a uh an i team meeting today with an eighth grade student or yesterday with an eighth grade student um and they brought up on their own that they enjoyed this schedule better um than the 80 minutes every day um that's one small sampling but um I think in some of the conversations we've had with the eighth grade teachers um the students it's either again like mikah said it's 50/50 uh some kids may like it and some kids may not the kids that I think like it are the kids that couldn't sit for 80 minutes yeah yeah that's that's the question I was going to ask because you know after one year of doing it I first off I love Haw time I think it's great I I've heard a lot

176of good positive things about it but how the students are from going from Seventh to 8th grade you know they had seventh grade of not having that to eth how did it help them academically you know was it an improvement overall and they learning I think that's a great thing um I know it was a small sample and I I I hear you when you say there's kids who can't stay that long I'm one of them I can't stay in one spot but it it I'd like to know more you know if there was Improvement in the students I guess you know with having that longer block of seeing that teacher continuously more um it's it's some good data to look at I think to see the tough challenge is it's one year so yeah

177it's correct but I think that's where like you know when we become more consistent you know consistent meeting we have years of data to look at uh around am web in SAS data um you heard Rebecca talk about the seventh grade in illustrious math I think the work that um I think the success that Liz kovar has been able to have in seventh grade is because it met every single day yeah um and you know and the seventh grade being purposeful with how they structured their Hawk time because I know she met with those students um pretty consistently on particular days um so I think as we as we go down the line in the next few years I would I would suspect that we're going to I would like to think that we would

178see increased test scores um but it also you know because meeting every single day also allows for consistency in our approach with the executive functioning skills too with planning and preparation and how our students stay organized yes um that's big um cuz if think about what I was talking about like a kid being out in the old schedule if a kid missed a day in an alternating block schedule a teacher might not see that student again for quite a long time versus in this schedule kid misses on Thursday that teacher gets to see him on Friday yeah I think it's the other data points that I'm interested to see is visits to school counseling office behavioral reports yeah uh good point all of that part of that's part of school too so seeing what those

179Trends are like and keep in mind you know we um we work with the curriculum in the CNA committee and um made a change in our approach to Career so now that we're doing more Middle School based approach to careers Beth is now full-time Beth sterer middle school counselor is full-time in the middle school that will allow her to see more students um and to be in the classrooms more um and to look at potentially small group kind of social emotional supports um so that's a I think that's going to be a plus for us to moving down the line great that's awesome I you share the data with the staff of the survey they took that's going to be part of our discussions going forward just making sure so there was concern because we

180removed the sap position um there was talk of you know the culture of a true middle school and going back to that I guess you know are we seeing do teachers have time I'm going to like use the elementary model of you know responsive classroom is there time to do those kinds of things during Hawk time built into this schedule so where catching kids where they might need to be caught and outside of the world of academic know that Community yeah I think it's a good question we were just me with the teacher the other day about trying to get back to being more purposeful with the responsive classroom I think again this year with that new change and just TR because we're also learning how to use flex time and trying to just get

181that get that ball rolling and just get into a flow of school um so that's going to be a focus for us uh next year um trying to get some of more of that in there and we've already uh you know Rebecca had shared a spreadsheet with all the administrators and so we put the new staff that we have coming into the building because we two new eighth grade teachers um and a teacher who hadn't participated in the responsive classroom training and so getting them some training this summer I think the discussion at leadership team on Friday really began I know I'm going to say how last year we brought safety back quote unquote right and and reinvigorate on how we incorporate that in and next year you're going to see a trend on see

182something say something and really build those Refreshers and that can happen in Hawk time but more specifically what we talked about on Friday is really discussing anti-discrimination anti-bullying and using those core beliefs through those times um and this is why Beth becoming full-time at the Middle School's huge she's not gone for 90 minutes a day teaching A's class so uh not that she's going to carry all the load but she's going to be a lot of a lead worker on some um and the the sap involvement with the middle school was very very limited um it was um Kim Haley did great does great work with kids she even attended the senior class trip with us um but her work in the middle school was really limited um so having Beth back fully upstairs is

183I I think is going to be a plus I think she's really looking forward to it I know she's I know her and I are already planning for next year around career stuff we were sharing some things that have come across uh in emails that are opportunities for students um at the C Science Center and learning more about marine biology and that kind of fits into what we sh with PR Council opening those doors for kids and we're going to report out on this in the fall and and again next year because this is a continuing discussion Point among staff and students and the community we want to make sure that the switch is valuable we want to make sure we continue to kind of chip away at those pieces that came back planning time

189so I I just want to take a moment um for her um 2 23 years is what she worked for us so thanks for that um then we move on so we have a couple resignations with Chris which Chris uh pointed out when he was talking about his staff um that were not returning Jane Dugan and U McKenzie Reed they're both instructional assistants up at the middle high school we have a change to a contract so Rachel um was given a contract this school year for food service for four days a week we thought that that would change to five so that's what we gave her but she wants four so this brings her back to the four days a week um so we'll look at other things like we have this year for the

190fifth day for um help with that area um the next item I have is the Slate for um schedule B for the fall you know what we can't actually do we got remove we got remove so um because Norm is a coach we can't vote so we'll have to move it to the June 18th meeting take him off as a coach well I was going to say we could take him off as a coach for now and put him on the next one that would be my recommendation let's just kick Norm no no we'll put it on for the next one but I think we shouldn't postp own thing nor for um great good spin so I will put you on Norm for the following meeting okay all right okay um so um as you

192have the need for potentially one more um staff member um we're just trying to determine how that can work but at this point um the most um all of them are filled except for potentially that one IIA for um Harold Martin that still might be um open um that we're trying to work through other than the um occupational therapist and the speech language those have not been committed as well so um that could come forward at a future meeting the last thing I have it's not a approval but I just want to thank the a couple individuals that gave some donations for the robotics cuz it's under the $500 so it's the Vargus family and the um Lori Piper and Dennis Grant um so thank you to them for the donations that they made to

194High School passed with flying colors so uh just notification for that so now they'll be in another 5year cycle for their evaluation kindergarten I mentioned and then one more piece I know we've been talking about it all year with Michelle but on Saturday is the Excellence in education which is the New Hampshire they're called the eddes uh and it is when Michelle will be recognized for her Alexander J blastos distinguished service award um I know her colleagues came and spoke to her her family her nephews her sister they're all attending to uh it is a long evening there what day is it uh it is Saturday so uh congratulations Michelle awesome thank you good Lu you uh she gets another Bell so I don't know if you if you win an Eddie you get a

195you get a bell I know that sounds crazy uh but Michelle has won it for business administrator of the year and now has won the award for Alexander J Blaster so she is one of the few people in the state that have two Bells so congratulations awesome um with that uh we are gearing up for all the events that Flo mentioned um but besides that it takes a lot to come to school at this time of year um there's a lot of effort both on the student and and staff but uh with the heat with the the chaos with the field trips with the field days with the Popsicles in classrooms with all of the things that are going on uh when we have first lived 170 days together now we have to wrap up
