Okay. So, I have a couple of things and a few things on the agenda. Oh, thank you for printing that out. I did not do that. I know that's probably just um >> Y. >> So, a couple of things to kind of preface with and then we can go through all of this. Thank you, Palabi, for doing this. This is amazing. >> Thank you. really >> thanks for doing all of the work on the financials. I think that's going to be superb. >> Hopey that helps. >> So, what I did was this is the most updated only plan B. I'll give everybody a copy. Um, but I want to stress that this is still a concept. We are not going to get to a final plan. The process for I have >> Sorry. [laughter] I
know, right? The process um that we're going to end up effectively following is that we're going to get this to a point where we're happy to present it and get numbers that are not going to be perfect, but they are going to give us enough to budget for what we need for the bond. These will stay concepts until we get until the board requests final plans. Um that could be after the bond. most likely it will be after the bond. >> Um, and that's going to be part of the cost of the bond and that's going to be I think it was around 15k is what I had said to you. So, >> that's right. >> So, and those final plans will incorporate water runoff. It's going to be much more detailed so that we
can get to these are quotes, these are swags, these are estimates. they're going to get us to a much more clear idea of what the costs are going to be. The costs that we're getting from these vendors are really their best guesstimates. So, um, which is good >> and they're based on that kind of outline >> and they're based on this out outline. >> So, if if something isn't represented enough here, they're going to give their best guesstimate on what they know. The nice thing is it about the estimates that we're getting, estimates, gueststimates that we're getting is these are all pretty much local companies. Barasa has kids here. Um, White had a kid here. Like they're all very local and they know the property fairly well. Um, and an update, I don't think I
told everybody this, but I think I told some of you this. We got an updated quote from Barasa, and Pilabi was right. You nailed it on the head. >> Good to know. >> They were quoting this from my husband. [laughter] >> I hope so. Um, they had quoted a paved parking lot. >> So, I'll give everybody one of these. Pass it along. In the paved parking lot, I printed out a lot because I thought that we were going to have more people here, but the paved parking lot. um taking that out knocked down some costs. Um being a little bit more thorough on what we wanted put up some cost a little bit more. So the total >> cost estimate for effectively this whole project I think I gave somebody my copy is around was
005450. That's what you said in the email. >> Yeah. >> Yep. Um, so this will give um, >> and what's the time for the >> the other ones? The swags for the other ones were less, but they were also Barasa has been working with TF Moran and asking them questions and going back and forth. So, um, they're all within around 250 350, but without the detail um, working with TF Moran. So this is coming Baras is coming through TF >> Moran. >> The other ones [clears throat] are just looking at the design and making a lot of assumptions. So um and they haven't seen the most updated ones. Keith can't be here today. He's traveling. >> Mhm. >> But this does give us at least a much more proper comprehensive idea of what that is.
We're definitely under half a million. We're probably under the 250 which is good. That's where we wanted to be. I wanted to be there. So, I'm really happy about that. >> Under 250. >> Sorry. I'm sorry. 450. [laughter] >> Sorry. That was my Thank you. >> Where did you pull that one out of the No, thanks for Thanks for >> correcting me. I'll give everybody a copy of the new plans. >> I have a question on Go for it. >> Item G says, "Prep and overlay 21,000 square ft entrance." What is that referring to? because I want to just double check that's not part of the same paving budget you [clears throat] have in the school budget. Um >> that's is that the >> So it's right in here. So if you look at if
you look at the plans and I'll give everybody copies. Sorry, I'll grab a coffee. >> You have the letters on the plans. >> The letters are on the plans. >> You have to squint really hard. >> So if we look at E here, uh what were you saying? E or G? >> Oh, I got it. I see G. So G G is this. This is what you were pointing to, Susie. Okay. >> G is to the front of the building. >> Buffer for the front of the building. Yeah. All right, >> that's good. >> Right up here. >> Okay. Y >> Oh, but he does have G on the entrance for the driveway today. >> So that's part of G. So item G includes prep and overlay >> saw cut. So G is kind of
a couple of different things. >> Well, he I'm just curious because Susie, do you think that re paving of this the black top fixing that's is this driveway included? >> Originally it was this whole the whole thing that we have. >> Yeah. I'm so cautious about this because that quote is at least three years old. Okay. >> Yeah. So what I'd asked um yeah >> TF Moran to do um when they were talking to Barasa um is to because they know the site is to give us a in the quote to reflect in the quote either their best recommendation as this is obviously all going to be new whether it's just going to be a resurface or if it's going to you know, dig it all up and really um do that. So, that is
kind of what they did. It was like their best judgment on if they should tear everything up and completely, you know, pack it down and put all the under surfacing in. They will fix all the potholes. They will do all the work in the back to make sure it's nice and clean. But that was their best um recommendation. >> Did you do a layover? >> No, it it was their This is reflecting whether it's going to be a layover or not. their recommendation. >> Susie, I thought you wanted to take all that all of the stuff in the front also and the ballards were going to be over here >> like >> Yeah. So, I'm sorry. So, I thought all this part here was going to be green. >> It is not. >> It's not.
They If we take all that out, that is a that's another large piece. We were going to I had I had specifically um told them to leave it as is for now to not cuz designing that to be green means that we still have to do a walkway. We have to design it in that regard. >> Well, shouldn't we see what that pricing is? That's concerning to me. >> Well, that could be part of the plan. I don't think it does it have to be part of this >> I guess. We're getting this and you're you're right. We're getting into some scope creep here where we're looking looking at so many small >> pieces of it >> that doesn't feel like a small detail to me to have all of that not be green. >>
That feels significant. >> You know what it is? It's the ballards they have here instead of over here which is >> that's going to be a curb. >> They've got ballards on both sides. >> Oh, okay. I can see. >> So why would you have them here then? >> If you're going to have them here, you wouldn't put them here. >> I agree. Well, just because you got the access point for the fire trucks and stuff. So theoretically, somebody could come up and then go down the >> There's no access to fire trucks for that. >> No, this is purely just a walking sidewalk. Keith said a firetruck would never need to come on that side. >> No, the fire truck would never be there. Even though there's a fire hydrant there, that fire hydrant
is too close to the building happened. They don't want their fire trucks up there. They'd use the one that's um general staff. >> I thought the original design that we all agreed on like prior to going to the board meeting was prioritizing green space here. >> Okay. Well, there's a So, we've got a little bit of there's potential duplication of costs even though your quote's three years old, but that includes 35 to 40,000 for repaving this in their budget. And what this bud their budget does not have is the impact of greening that. So there's a there's a difference. >> Yeah. >> Scrape it off. >> So it it is to be defined. >> We're not just for a point of clarification. We're not able to incorporate the paving cost into the local budget. It
will have to be in the bond because it will drive our budget numbers up >> higher than we want to pass. What? You're not going to do that, right? That's what you said. you know, >> if it doesn't pass, you won't pay. >> I mean, we're we're >> so we're focused on that's why we're here to develop the communication plan to really make sure that >> I think that's appropriate. I mean, let's let's get the job done. Let's get it included in the cost and we can, you know, I I think it has a high likelihood of passing. Let's make sure it happens rather than having >> four different alternatives. >> And I I I know that I said the opposite of that the last time, so I want to I want to acknowledge that.
And sometimes as we could make take things into consideration, it becomes more clear. One of the things that became more clear is that we don't have $100,000 in the budget for paving. We don't. >> So that was that was a point of clarification that we were able to get additional information on to confirm that we don't. We have $100,000 in that line and $40,000 of it was for LED lights and the other $60,000 is for ongoing maintenance and repairs to the school. >> So what's in the >> So then So >> what's in that line item for next year? other other areas that have already been identified within our five-year plan. So then the the worst case scenario that we don't want to have happen is for our operating budget to not pass. So we
can't have our op the bottom line of our operating budget too high for voters to then not pass the operating budget. So if our operating budget doesn't pass and certainly the bond project is not our bond is not going to pass either. So, we had to like kind of zoom out a little bit and develop a more a more strategic plan when taking everything into consideration. It still doesn't it doesn't preclude us from using impact fees and other other um sources of money to help offset the cost of the project, but we're not able to put the paving in the local budget. >> So, we can't comment on that, >> but you could get Do you know what the There was $40,000 worth of impact left, right? >> Yes. And >> no, you had >>
we have a hearing set to talk about the impact fees and that was for Jane. I believe we talked about that for the set plans, right? >> Yep. Well, we could use those for the So those the set plans that would be the final plans. Yeah, >> final plans for >> But would that also then go towards the the lights for the crosswalk and so forth going to be >> incorporated incorporated into this >> into one project. The set plans were what we set the the public hearing for to talk about it and also potentially the capital improvement program. Right. So it's both. >> Those light those lights are not in here right now. So that adds to the uh snow they are in there >> where it um across the beacon. It's the last
item last. Yeah. >> And I cross >> I will be clear. I do not believe that the it is my understanding that the board is not going to put in cross lights where the crosswalk is currently. So, um there was a request to the board at the last board meeting that we take on the cost of installing the crossing lights. Now, um, with this going to bond, um, I is it's not my understanding that any of the board members are in favor of expending money to buy, install, and then potentially move that pro, move all of those lights. >> I would say if this bond doesn't pass, then we can potentially look at that as an option. um because there's definitely more work we need to do to this and then move it. But if
you look at the line item just you know including the crossing beacon etc. Granted moving the crosswalk and then putting a pad on there is 27 to $32,000. So the crossing light itself is about seven. That does not include installation. That does not include the post that they're on. that does not include the solar system that is >> no the one that we got at the what the board >> and the board wanted this group to to discuss that which is why Dane just brought it up to bring it to this to our wonderful team of experts. [laughter] >> Yeah, >> that we are now all earned badges or something. Can you help me understand why the decision was made again not to have that as a green space when the committee decided to have
that as green space? >> Uh what? >> Yeah, I mean pretty much it was just I hadn't prioritized making that change. I mean, we can make sure that that's in the budget when we go out to bid, >> but I thought that we had talked about that in our last meeting that that was something that a team decided, >> yeah, >> was going to happen. And what I'm nervous about is that this is going to go out as a final copy with this as an incorrect thing from the team. >> I I I can go back and ask them to change this once again. I think that at a certain point the cost is going to be commensurate with it's not going to be this. It is going to be something very close to this.
I understand your point. I completely get that. That's on me. I did not specifically ask for that change. It was just something that had slipped my mind. My mistake. Um we've changed this plan so many times already. I can go ask back and ask him, but I want to be ready to present something and I can send you all new plans um if we if we want to go ahead and do that, but talking about the fact that this will be green space, I think is okay for right now. >> Okay. I just I want to I want the team to hear I do not think a copy should go out >> with this space incorrect. That is my desire is that I think that would cause a lot of confusion and my understanding was
that it was a team decision to have that as a green space. >> Okay, we can I can go back and ask him to make some additional adjustments that will adjust. >> Yep. So >> these as well >> so we could move things along. Literally just green marker. That's why I wrote green >> it. And so that it's pretty consistent that it looks like this grass extends. >> Can you put the color in? >> Yeah. Or what I could do is instead of doing a set this CAD drawing, make this a cartoon drawing. >> I don't want there to be misinterpretation later with the architects. Oh, we didn't know that there was a green that y'all had marked that in green. >> This isn't going to the architects. This is not going this is not
what is going to be sent out for the bidding process. We have to get to a set plan first. We have to get to a final plan. This is only a concept. >> Is this going to um the community? >> Yep. We can use this in the community. We can use this as the community. We can do whatever we would like to. It is really up to us as to do we use this. >> The question is will this drawing become public? >> Yeah, it's up to us. No, I was saying if it's not becoming public, then perhaps it's not as big a sticking issue. >> That's correct. I mean, our meetings are public, so every single thing that we're creating as a group is public. >> I think that having this level of detail
demonstrates the diligence and time and care this team has taken. So, I think eventually a version of this should go out. I don't want this to look like we just scratched a sketch on the back of a napkin. Okay. >> So, I think that we need a version of this colored in green. and whether he can do it on his system or >> he should be able to do it on the computer. >> He'll be able to put in where there will be pavement because this is not going to be 100% green space. We have to have >> ways for people who you know there this is this is where our this is where our >> our ADA compliance is coming in. It cannot be completely paved. There has to be walkways here. Yeah, they've
got this kind. >> We have ADA parking over here. We have ADA entrance here and here. So there, this can be green, but >> won't be green. >> It's not going to be all green. >> So do you think Susie this sidewalk would just continue? We'll just just extend the loop. So this piece will just copy and so would it >> that sidewalk from the handic they've also got the the gray hatch lines on there. That seems to >> those are older ones. Those are the ones that are existing now. So the the park the handicap parking spot is here. We can move it to another spot. >> This is the door. >> The door is over here. You have to be able to get from this egress. This egress. There's three egresses that you
need to be able to get. >> There's also a way right there that we talked about and there's a way in the back. >> Okay. So, if we were to color this green, this would roughly loop to there. >> Mhm. >> And then you can get in the front door via handicap parking in here. From the path, you would get in here. >> Okay. >> All right. So, this is what I So, I just extended this. This is just rough. Obviously, the engineers would figure out the best route, but then you'd get in the front door, and then you'd be able to park here and walk into the front door here, and then you get to the path and just extend that line there. Is that all right? >> Yellow. >> Yeah. If visitors are
coming to the school just, you know, on a everyday basis, whoever they are, are we expecting them to come to the front door or the back door? >> They can come to the front door and they'll have access to that. >> Okay. If you have a handicapped person, it just has to be easily >> What's withable? Okay. >> So, they would ideally park in a handicap spot here and then they could walk right that way. >> This needs to go here, too, cuz this is stairs. >> Yep. >> There. And then if you were parking on the side lot, you could access I'm assuming this sidewalk and walk to the front. And if you were parking back here, you'd access the sidewalk. >> And these two spots should probably be handicapped. So it goes straight.
>> Those are cannot be striped as handicapped. They're on gravel. >> I don't know how you could get up that hill. >> And there's this is this is this is going to be much lower. >> Yeah. >> And if if anybody's parking down here, >> they're going to be walking up that hill. You're right. I would not use that for handicapped at all. So, if you're parking here, how are you getting to the school? >> You are walking onto this. >> How am I going up the hill? >> Yep. You That is That is um >> stairs out front. >> What? >> There stairs out front. >> There are now. >> It seems like you would need some kind of stair or pathway. >> And you want to put stairs from here >> from here
to because you're going to have a ton of people parking there on like >> would be a good it would be a good indicator to go where the crosswalk should be to go over. The more >> concrete we can have everybody's path the better. >> But so right now we can walk pretty nicely right in the middle here. Are you saying that the the level is going to be different? That that would be a difficult step. >> I don't think it'll be difficult at all. I mean I think it would be similar to what it is now. >> And is it right here? >> Yeah. Well, I mean, we could put us we could put it wherever we wanted to. >> That's a big deal for them. >> I don't I think the people that
are going to be parking down here are not going to be grandmas. They're not going to be they're going to be capable. I would probably wouldn't even put something in there. They should be able to walk up to the burm. And honestly, this is probably not even going to be accessible in the winter time. >> I just want to I don't I want to reduce questions. So, if we draw it in, it reduces the question coming back. >> Yeah. >> So, Parking is in the front of the building. >> The handicap parking is in the front >> access. >> The handicap parking is going to be in the front, the side, and the back. >> And you can get in here and here, but you can't get in the front. Is that >> you can
get in the front, >> but it's not >> if you are a visitor when the building is ra There is a ramp. >> Oh, there's a ramp in the back. >> Yeah, there's a ramp in the back. This This will be This goes to There's not Yeah, kind of. >> That's kind of a >> And then this is just going to be straight in. >> You can't come in here as a visitor. >> You cannot come in either one of these. >> Oh, no. Like if it was a um >> program an assembly. >> Yeah. If you have like >> Yeah. This this is a ramp in the back. There's some handicap parking. There's two handicaps parking parking spots in the back. There's one right in the front. And then we were going to add
one over here >> so that we can go right in there. Also on our agenda for tonight is to finalize our communication plan. Right. >> Right. >> So you want to keep that in mind. >> Any additional changes? This is the last time I want to change this plan. >> Like I I want >> I like your idea of the cartoon of the Can you pull it up on your phone again? >> Oh, changing it to a Google map. A plain old Google Maps without all the Earth stuff. >> Oh, yeah. >> Yeah. So right now I took a satellite picture so I could replace it with just the simple one. >> I like that. >> So instead of this satellite of the current state, it would be this. >> Yeah, that's fine. >> I
like that. >> For this version, do you want to keep the the engineer drawing? This is okay. >> Sounds consistent with what >> with the green space. And I'll roughly draw some of the new paths to reduce questions. There's going to be people who are going to understand a cartoon that are going to understand this. They're going to have different ways to envelop that information. So, I think that's going to be helpful. This is great. Just, you know, the outline of all the all the um >> right. What's what are the issues? >> Just remember, do not enter signs [clears throat] >> down here >> because there will be people that will come in and try to go this way. >> Good point. Yeah. So, >> I thought we had said too about this that
it was only one way and that they would have to circle all the way around. >> That's what I had thought as well. >> I was surprised to see it going both ways. >> It makes sense to go in and out of the parking lot. >> We had talked about that it was going to be one way the whole way >> and that when we talked about people coming back in, we were like, "Nope, it's not a big deal to come back around." So, I was surprised when I saw >> That's not what I remember. I remember it being >> I remember it being two ways just up to the entrance to the >> so people didn't have to come. >> No, I think I think you're right. >> I remember talking about both. >>
I remember both. >> I think it's confusing to have >> talked about both. >> Both. I I think it's it's much more plain just to do a oneway. >> Increase your traffic around the school. Then >> if you can if you're dropping off and you want to go into that lower parking lot >> and you have to go all [clears throat] the way around the school. Do you want the traffic around the school or would it be okay for people to just pull in? >> I think whatever we can do to make it as streamlined and straightforward as possible intuitive. >> I think less traffic near that crosswalk really helps. >> Yeah. So if you make it >> by allowing them to go out. Plus the majority of the people I think are coming in
on 87 from you know from deer trees whatever. >> Yeah. >> Majority of the drivers have got to be coming down 87. So they would pro probably prefer to just go in and then back out, get away from the take a left and get away from the school instead of going all the way around and then [cough and clears throat] have that many more cars encountering that crosswalk on 87. This way you keep a lot of the car traffic away from that crosswalk entirely. Right. I think what what would happen in a morning pickup is that they would have to come cross the crosswalk in because they're getting dropped off in the back. >> The only time that they would come in early, you know, on that two-way is if they're coming in for an
assembly and they're parking in that gravel lot. What's concerning to me is that even now with guard rails up with talking to specific people if it is not so concretely direct people will do their own thing. >> Yeah. >> And it that is at the at the risk of the safety of our children and that is the current state of affairs >> and that's what we've been trying to solve for and they do it in exit all the time. and they go up the >> wrong way. >> I think it's likely though parents would say, "Hey, this is a quick way. >> They go into this lot, let people off, and then their kids will come up to the park." >> And they they do that today. >> I would say they probably do that
today, right? Because they don't want to drive all the way around. I mean, that's where I think I >> Well, if we don't give them a choice, they should keep it also keeps the cars out of the crosswalk, though. >> Yeah. So, I just I want to point out one thing because if you have every path go around the school, that means school assemblies a half an hour ahead of time, you're going to have all of these people pulling around the school and um if someone is um coming to pick up halfway through school or you know what I mean, you'll have all that traffic and they could be coming when you're letting out for recess and you have the kids back here. >> So, that is one reason to keep this 2-way. I mean,
it just requires a lot of signage. That's that's the only advantage I see >> and that we can solve for. The other thing to consider is I I I get that we want to make sure to eliminate the kids crossing, but we have the fields back here and this is where they all park in the summertime and they're not going to go all the way around the building. They're going to go on that one way, which is going to be dangerous for vehicles. And with this one way in and out, if they're parking back here to get to the fields and there's a two-way here and we have people crossing, they're never going to be over there. >> So, I think this can be solved with signage and education. I don't think it's ideal. Yeah,
I I don't like it either, but I think the reality is >> I think the reality is if we don't do this, people are going to do it anyway and we're going to have more problems than we want to end up dealing with. But if we allow it for two-way, >> this isn't going to be here. As soon as snow flies, >> they can't. They have to. [cough] >> Oh, yeah. >> They have to. >> Yeah, cuz that's like >> this is not that's not going to be usable. That I don't think that's going to be plowed in the winter time. That doesn't work. The other option is is to keep this one two-way as well. >> No, I'm not revisiting that. >> Okay. >> Did you >> Well, I'm just thinking I because I
don't know how wide um a standard, you know, one way is, but we do at least want to think about whether you have enough room to get around a vehicle that may be um holding up traffic somewhere for some reason back here. I mean, if it's only one lane wide at all times. >> Yeah, >> I think that's something that they'll [cough] engineers will definitely prioritize because I can't imagine >> one vehicle. >> Yeah, I can't imagine >> can bottle up everything. >> Yeah, >> if we are only one lane wide and no other >> Yeah, I think that's a good I'll talk to Keith and make sure that when we'll kind of put these this set list together. The only thing with that width is then you're gonna have people going around >> potentially
when they shouldn't be. >> So we want to make sure that >> Yeah. Right now you have one it's one car at a time in the front. >> How often does someone except frequently and happen today when you have people picking up and someone's child is not ready to be picked up? We have space up here to let them just park on the side and all the traffic can move smoothly. >> Yeah. >> Well, that we're standing there. They're not dodging through moving traffic. >> And there is I'll have to see what the the width [clears throat] is here. >> Back here. >> That's what I was thinking. >> That's the choke point back here. >> I think there's enough room back there even if we take out a couple of parking spots because there
has to be an entrance into the fields there. Um, and this is looking at the lot lines only, not >> um Oh, you're totally right. Where you come down from the stairs where that crosswalk is is where students will be dismissing. >> Mhm. >> If somebody is if a student's not ready, they'll move up into the space. That would be the space going. Yeah. The ballards that will be going right here. >> Like there's some good extra space. >> Okay. Y >> because there's >> this is this is lot lines. We actually have slightly more space than this. >> I just >> just right now there is enough grace room >> room back there. Yeah. >> Yes. And I just don't want to think that we're going to have literally people going out on [cough]
[clears throat] lining up because somebody >> forgot their hat. >> Yeah. Talk about gridlock. Okay. >> All right. Got it. >> All right. >> We have >> Okay. >> sparing amount of time. >> I'll make some I'll have them make a couple of small changes here, particularly to some green space and some walkways. >> Before we do the communication plan, I just had I think I sent a note saying I've gotten a couple questions about and even Hobie said this. If this is plan B, what's plan A? >> Could we change this to plan? >> Plan A. That's a good idea. >> Or the plan whatever plan. >> Yeah. Yeah. Yeah. I'm just going to put concept. >> Yeah. I'm just going to take out the A, take out the B. Everything is going to
be >> this is this is what we're going with. Okay. >> All right. I'll go back. Um, so two things. Um, I'm going to work with TF Moran on some changes to this. Um, I'm going to work with the numbers that we have currently. Um, if there's anything significant that, you know, we need to change, then we'll go through that. But I think we're at a good [clears throat] spice where we can have a good enough swag on what we're looking at. >> It's great news, though. >> Yeah. I'm glad I'm glad I was wrong. I'm perfectly happy being, you know, a couple hundred thousand being correct [laughter] >> the right way. >> In the right direction. >> Yeah. In the right. That's what I was. >> If it was the wrong direction, I would
have been really bad. >> Yeah. Yeah. >> Um, so I'm just going to log in and get um going on the plan. So, I kind of want to, if you guys don't mind, split into a couple of teams and getting like certain things done like >> these plans and material and stuff like that. I can't do all of this alone. This is a lot. Um, so I kind of want to be able to put our punch list together and then start figuring out what materials we need for the punch list and then start delegating because I'm I'm up to my oddballs. Um, and there's only so much that I can actually be effective doing. >> Are we >> Yeah, go for it. Are we talking about having information or or when would we be having
information? >> Uh I'd like them as soon as possible. >> Um we also want >> Yeah. At least one I want to be able to do a couple of different things. >> Huh. >> Good. >> I want to be able to to um >> Can't spell my own name. Wow, hard just >> that was terrible. >> Um, so I want to be able to >> Sorry, I lost my train of thought. Um, what was your question? >> Having a >> information, >> an information meeting prior to the bond hearing. >> Okay. Yes. So, I want to do a couple of different things. One would be making sure that we have conversations with all the appropriate boards. >> Yeah. >> So, they're aware of what's going on. Um, police and fire are aware of what's happening.
Um, police department has gotten in touch with me and said, you know, they've been communicating with a number of us. Um, and they have a proposed they've talked about their concerns. We've discussed those. Um, but having people to go speak to those groups is going to be really helpful. Whether that's going to be the PTO, the staff, um, the different boards, the select board, the planning board to let them know what's going on, let them ask their questions, things along those lines. And yes, the community is an absolute key part of that. >> Seems like we need to get to the slope department. Yep. Police department. >> Yeah, I think we need to >> need a list and just start to divvy up. >> Who, what, where, when, why. >> Yeah, >> not why. >>
So, I heard police, fire, select board, PTO. >> Yep. >> Faculty staff. >> Um, well, we've got leaders of each of these groups. moderator. >> Could it Could it be as simple as sending out a description of what we're trying to do and just saying, "Do you have any concerns?" >> I don't think so. >> And then we could get an email back that could literally be shown as >> for some of the groups perhaps. >> Yeah. >> Maybe for the parents. >> I think see I don't know if you could do that in mass for parents, but you could do the PTO. >> Yeah, we could do the PTO like that. I would set up at least an opportunity for them to come and ask questions. >> Right. So whether that's going to be
hey PTO can you come to your PTO meeting how can we have somebody speak at a staff meeting we can go to the select board meeting we can go to the all these other different meetings making sure that whoever >> like a zoom [clears throat] call for PTO like >> if PTO is in person we'll go in person if they're on Zoom we'll go on Zoom >> I'm not sure >> I think like select board planning board that probably needs to go to the meeting >> I would love to just be able when we go in front of the town to say these groups all signed off. >> Or we gave them an opportunity to ask questions and they've been addressed. >> Yep. >> It just takes away so many questions. >> I mean, if
we could when we get this updated, >> we could just send out like a an email. They may not even they might the PTO might just get it because they see it every day. Be like, "Okay, >> we've already talked about it this month." Yeah. >> Yeah. I've been hitting parents up. >> NYA, do they need to >> be talked to at all? Um yeah because they're they're they're border >> hopefully be advocates for >> it next week. >> Sure tomorrow's one tomorrow. >> Yeah, there's one tomorrow and then there's one December 2nd >> and December 16th. >> I target the 16th or the 16th >> the select board. >> Select board. But um did did we get any response about coming tonight after you sent the notes? >> Yes. >> Fire was um no
response. >> Police was everything that I've said has been communicated. I'm perfectly happy with that. But we'll we'll be >> will um >> I think the fire and police then takes an inerson meeting. It's very easy for them to say, >> "Where did you get that email?" >> In other circumstances with other people in town, it's much better to have a sit down meeting with them. >> Absolutely. >> Do a followup email said, "Thanks for glad we met. Blah blah blah. We went over the plan." And >> Yep. >> So there's no doubt. >> If we get those three, then the planning board. >> Yep. >> Conservation. >> Yep. >> I mean, we have some amazing conservation committee members here. could be our advocates >> getting ready to bail out for >> Yeah. [laughter] >>
So, >> right now time. >> No, we're not doing it tonight. >> No, no, no. Tonight is going to be [laughter] packed. Not on the agenda. >> No. >> So, and don't um we should talk to John just so he knows that this is coming up. >> So, um >> probably the last company for students should be aware. um is the um the person that came to me with it as >> sure that that's can do that. >> Yep. >> All right. Let's start going through the list and the signing. >> All right. So, hang on. Um I just I'm putting a couple of >> Yeah, you guys be careful. You're leaving the room. >> I'll see you guys over there in a little bit. over there. >> Um, >> what I'll do is we'll
assign >> the record, so you'll >> I know, right? It won't matter. You're the one [laughter] taking the record. >> I'm not taking the record. >> All right. So, select board is going to the next. I wouldn't do the one tomorrow. The one on December 2nd or 16th. >> We can't do the one tomorrow. Select board. >> No, that's not in That's not even We can't even get on the agenda for that. So, either the 2nd or the 16th. >> I would give ourselves this give ourselves some time to get >> some updated stuff. I'd rather have the 16th. I can go to that. Um >> I'd be happy to go there, too. >> That would be great. >> That's great. >> All right, Jane, Jim, and Mike. We'll all talk to that. [clears throat]
Um I think um >> I'll do the police. I'll I'll I'll I'll do Who wants to come with me? >> I'll come. >> Yeah. [clears throat] You want to come to that? >> Sure. >> I mean, I think we don't want to overwhelm. So, if there's three people, >> they Yeah, that's okay. You want to bow out of that one? You want to come to the fire? >> Whatever. Yeah. >> Can we send Keith to the fire? >> Yes. >> I'm gonna >> I think two two to three per per each one is plenty. >> No, it's >> I'll do fire. Um, so for the staff, >> you need someone. >> Yeah, I I could do I was going to do PTO for sure, but I can do staff as well. >> I think you
should. >> Okay. I'm going to put this in a spreadsheet. It's not going to be just >> All right. So, Susie, Beth, and Palava is great. PTO, you're going to do that. Palava >> Pal. Yep. >> I can do that as well. I go to all the meetings. >> Okay. Um, NYA. >> Do they have regular meetings? >> I'm happy to go to the meetings. I don't know when they are. >> PTO. >> No, >> I can do I can do NYA. >> You want to do that with her? >> Sure. >> Who's in charge of it? >> I know they do. boy. >> I know they do, but I don't know how freaking know when. >> Um >> I'll find out who's in charge of it. >> Yeah, either Jesse >> or um Mara
would know, too. >> Yeah, it's good. >> Um planning board. >> I don't know what that is, but I'm happy. >> Yeah, >> I haven't signed up. I can When do we know when it is? >> You know, they have a calendar, town calendar. I think they met last week. So, they >> they only meet once a month. >> Once a month. So, it's probably going to be what? late mid to late December. >> Okay. >> Show up in your town. >> Who wants to join me for that? >> Mike, >> I can do that. >> Don't overextend yourself. Mike [laughter] >> Mike knows the >> It's the holiday. >> Who knows everybody? >> It's the holiday. >> The plan is November 26th or December 11th. >> Okay. >> Um conservation. I'm going to just
sign those two. I'm going to do >> Y mentioned facilities for SEU 16s. I can do that. >> Okay. >> Um what was her name? Oh my god. >> Ann. >> Yeah. Thank you. [clears throat] >> Um Okay. And then there's facilities for both the SAU and internally here. Can I put that on you, Susie? >> Um do we want to just Susie in Susan in >> for Sue? Sue for select board. Yeah. Yes. >> Well, yeah. I mean, I'm just looking what's here. So, water and sewer, we don't have to worry about. Town landing, we don't have to worry about town clerk. >> Nope. >> Police, fire, emergency management. I don't know what that is. >> Nope. [clears throat] You know, >> elections, that's >> Hold on for a second. I think it might
be a good idea for somebody to talk to Sue >> because she is like information central. If anyone has a question in town, >> they talk to Sue. >> So, I have a lot more influence individual. I have groups like and then I have an individual list. So who we want to target individuals? So Sue would be one. >> John Hayden. >> Does the building inspector have to be involved when you do this kind of stuff? >> No, he's they're going to work with um >> so that's for the town things. >> No. >> Although conservation isn't on here. [sighs] >> Um can we do the new field stems? The new field stems meeting. >> Sure. >> You better do some Republican. You better do that, >> too. Yeah. >> You want to do that
one? >> Sure. >> Okay. >> I'll bring Mark along. >> I would love that. >> How are you going to just reach out to these people and for individual [clears throat] just conversations? >> Okay. >> Yep. >> Yeah. And then you offer to meet in person or have a phone call, right? Right. It's up to that's how you make make the choice there for how to do it, but we're asked to do it. >> Um, so I've got Sue. Who's going to talk to Sue? >> You want to do that, Mike? >> I would say um the Cenounus would be a very important people. >> Who knows them? I don't know. [cough and clears throat] >> Mike, I'll go with you. >> Yeah, me. I know Amy better than Mike. >> I think that would
be good. >> I'm happy to assist. I don't know anybody. >> I mean, I know everyone in your choice. >> I can reach out to both Amy. >> Now, are we going to just go select board al together like as a board or are we going to try and reach out individually to people? >> I would like to get on their agenda. Yeah, I think it needs >> I need to I would I want to formally ask them to be to have, you know, get on their agenda, spend some time for them to ask questions, >> make a calendar, too, or something. >> I don't think No, I don't think [laughter] you need to. Let's We're trying to lessen the load for James. I think if you send us the list, we can all put
these dates on our own calendar. >> Oh, yeah. Yeah. I think she was just asking about the select board meeting because that one I want to I want to be formally honest. >> You're asking J to create a calendar for all of us. >> Oh, no, no, no, no. I'm going to create a spreadsheet and share it with everybody and because that's how my brain works. But just for the select board meeting that we need to get on their agenda. >> I'll reach out to Sue if I know what's official. >> Then you're targeting a larger audience on the >> agenda. We're the budget's going on. So all these meetings are going to be budget meetings. >> Yeah. But just by December, mid December, they should be mostly locked down, I think. >> Yeah. >>
So would we try to target to have all these conversations by Christmas? >> Sure. >> Yes. >> Okay. and then maybe do a publication meeting right after >> I think that January >> the last you to the news >> for a bond hearing is January 20th. >> Oh, all right. But >> and that doesn't mean I'm sorry to interrupt, but that doesn't mean that we still can't have communityformational sessions at any point in time. >> Correct. But I would recommend that we have one before the hearings. >> Yeah, 100% we should have one. People could come if they wanted to and they don't say they don't know anything about hoopla at the bond at the hearing. >> I would recommend doing one in January, one in February, and one before um voting in March. >>
Okay. So, what are we putting together to use for all of this? Do we want >> That's what I was going to do accurate. >> So, I'll get this updated. Um >> well, you know what? Actually, what Pavia has done, if you can do some coloring, Palavia on what you've [clears throat] done already, just to put that green space in there, >> I [snorts] think what you've done is fine. We don't other than color it a little bit to show the correct green space a lot. >> Yeah. >> And then >> I do agree. I think this needs to be done, but I don't think, you know, update it, but that >> this is more >> that shouldn't hold up us having meetings and talking. >> Yeah. This is a great handout for people, [clears
throat] >> right? So if Palavi does that, which I think is great, then that should be redistributed so that incorrect ones are not going out, >> right? Don't use that one. Don't use that one. Don't take them home. >> Make sure that Yeah. >> Make sure that that's what's zero. >> Is there anything else you would want to have? I I don't know that you want numbers yet. >> Um they're the people they're going to ask numbers. Yeah, they're going to ask >> that's and I think that we that's a that's a unfortunately that's a question that I'm gonna have to answer. >> The board will have to really answer it, but I think it all the really depends on Thank you guys for doing this. This is a really helpful way for us to
understand what the consequences are. >> Um the what we can say for the financial impact is these are our options. Let's be honest about them. We don't know which one we're going to go with yet, but we want to go with the one that is going to be the most fiscally responsible. >> I would argue that last time we were told SAU had to provide those numbers to you that we >> Oh, they have. They have. >> I mean, these aren't the SEU. >> No, no, no, no. Those aren't the SAU numbers. We have like the bond schedules. Sorry. >> Even this, what was his name? the guy that was helping last time who said I went to an information session when I asked about the milright he said well we can't get that but
we're gonna get it and we'll have it and then I never saw it >> was a gentleman that was the safety officer or something that was in those information >> no no the guy you just gave me his name >> Brian Sans >> there okay >> so there's no require >> he wasn't even here then so no not >> all my question really is is these numbers were run by you. >> Yeah. >> Okay. Is the SAU comfortable with us using these numbers when we talk to our community? >> Well, okay. I'll let you answer and then I'll >> I'll run them by our chief financial officer to get her make sure that she thinks that they're accurate. >> Okay. >> However, with the caveat that the bond purchase isn't going to be until the
summer, we will not know the exact rate. So, this is going to be our best guesstimate. It is not going to be what happens. It could be >> that's why I use this 4.5 >> numbers you referenced. >> Right. So to give you an idea of and [clears throat] these are all January 2025 numbers. The rate for from the municipal bond bank was 3.24% up to 3.94%. So that's from the time to 2024 because 456 million is the basically tax. Yeah. >> No, but I mean like what the bond that we're asking for >> based on 500,000. >> Okay. >> 500,000. Okay. That's >> I think we should do a four I think we said 450,000 bond, right? >> You should do the numbers again. Is that >> Yeah. I'm so sorry. Signing more. I
think we should at least go down to 4%. >> Okay. >> And maybe even more. >> I mean, just don't know what's going to happen. It's whacko out there right now. >> So four is safe because it's already going to be lower today. >> Yeah. What's the primary >> right now? And we don't this is this is not regular >> well >> commercial rates >> that that's it's not going to live or die on the basis of four four and a quarter% interest rate >> because it's a it's a negligible >> three and a half% versus 4.5 it changes from 14 >> right yeah >> like to make this easy to understand >> I'm thinking of how to make this relatable and to me it just Sounds easier to understand if you say this is
about $100 per year in your taxes, >> right? That's the average for a me or whether you use the word average or median, this is going to cost you about $100 a year to fix the school layout permanently. And then when someone digs in and wants more information, they have this sheet. You get a cartoon of this. And when you want more information, you get this. because we're going to get two different people, one who skim and one who want to get into the details. >> Yeah. >> Um so I would suggest that we have a page that outlines some details of what just bullet items of what we're doing. >> That's exactly what I was going to ask is that I think that we should just like we were saying in our communication all
have the same script. I think that we should go into these meetings all having the same agenda and we actually hit >> the same agenda. 10 items that we're doing as part of this project. >> Well, I have the original >> I know but we can we can >> modify >> we can modify this. We have our priorities. We have the issues and what we were trying to solve for. Yeah. >> So we can definitely make this. >> But don't we think the >> I think speaking to that diagram this >> Yeah, that's right. >> I agree. Points are all right there. >> Each each of these boxes. >> Well, we don't know. But >> but others don't agree. So I think we have to talk about it. But audience that's going to push back.
>> But we're trying to accommodate different different audiences. So there's going to be audiences that like a picture and audiences around the detail. I would suggest if everyone agrees with the language here, use this as your bullet points. Every box is a bullet. >> Okay. So, feel free to cut it down. >> I would I'd be happy to. I just I'm I'm you know, I'm thinking of you know, when you do a PowerPoint presentation, >> right, you you put three or four words in each bullet point. >> Yep. I could >> Maybe we couldn't do that. >> I could I couldn't figure out a way if we would like me to take a peek just >> Yeah. The intent of this is if you had it stuck up on the wall in the country store,
someone would understand what we're trying to accomplish. >> So happy. If you can economize words, great. >> But we need one version of the words. >> Yeah. >> Before we go to these meetings. >> All right. So for content needed, this >> bond information Mike, that's on your plate. >> Um one pager. So it would be effectively all of these words. I will let Palavi and >> I can try to work on that too. >> You're you're a wordssmith. I think that's great. I'll let you you three work on that. >> And then if we need to, we can always create um an infographic, but I'd rather not go there right now. So, I think this is enough. If they need this, that's great. >> More. >> If they need this, that's great. We can
go into the details. We can talk to just about everything in regards to this. I will create a spreadsheet with who does what. Um, but I think Mike, I like your suggestion of getting everything, all of the boards talked to by the end of the month and then be ready for community conversations January, February, March. >> End of the month. >> By end of which month? >> December. December. >> Oh, okay. >> God, no. Not November. >> The individuals too, right? So, down like that in December. Yeah. So like SNU's >> you know once talk about some you know it's going to be >> and if you need you know the detailed plans we'll make sure you have the ones that you can just leave with them as long as we're happy with what they
look like. Um, in terms of the discussion for the total cost of the project, is there a number that we are um >> re-evaluating? >> Were we going to say 500,000? It' be 500 thou, you know, 500,000 or not? >> Because um, you know, I added up all the itemized numbers here on this particular one is 415 to 487 is the range. So just, you know, 450 may be underestimating. I mean, it's it's an accurate midpoint, but I mean, >> 400 to 500. Is that what we're saying? >> I think you should say with the bond, what bond number are we going out with? >> We the the board >> the board has to re rethink about that because we had said a 6005 or $600,000 bond. So with the adjustment of the pricing that
we've gotten, um I'd probably suggest that the board >> on January, right, when the board with the bond hearing amount is the >> Can that be changed into the deliberate session or No, >> yes, it was last year. >> So I mean that if we put it at five, then >> I would probably leave it at five. I because I think that there's going to be other >> administrative things that come. >> Yeah, I'm just I'm just uh I'm I'm just saying for the purpose of when you when you're demonstrating a table or a schedule >> so we're all you know say in the same room. >> I think I don't think we should change the number. So I think >> can we just double check with the board? >> Yes. >> And let's make
sure that in our talking points we just have one number. Right. >> It I don't want to look like we're waffling >> right now. I think the board had six. >> Yeah. So, we'll put it at five. I'll I'll I'll >> talk to the board on two in a couple weeks and we'll on the fourth and we'll change it to >> five. We can change. >> Okay. >> Then that's easy because we haven't we haven't >> we're not committing. We're just talking. But I agree. We do need to be consistent. So, >> and if it comes in lower, >> if it comes in lower, that's great because that is >> I mean there is padding in the quote because of unknowns in this concept. >> Go to the bond to actually do the bond. If
the article is for 500 and the plans are done and they come back and say 400, can you borrow 400 or do you have to borrow 500? I'm not sure of that. >> And then I had the other question about if if it's if you borrow 500 and you only use 400, what do you do with the other 100? >> You just pay it down. >> You have to pay it down. >> Pay it down. >> No, you're on the hook for it. >> Yeah. >> So, I remember >> But you But you >> Well, you could still use it for other safety project items in the next and during the course of the bond. >> So, would they lock in their interest? >> Yeah. >> There's a no. I believe there's some because the
money was raised for this project. I think the money needs to be used for this project. So, you can't you can't apply it to anything else. However, >> if I remember correctly, when we did the >> CMS, was it CMS or EHS? >> Probably CMS was more recent. >> Yeah, the CMS. What they ended up doing was >> the money that they didn't spend, they used that um to pay to make the payments. >> Right. So he can reduce the tax. >> He can reduce the principal, >> right? It reduces it does something. So they end up paying >> payback because it's in a bontrage. I think >> it's not a single bond. That's right. >> But I also believe and do you mind checking with Molly to make sure that I'm not incorrect on
this is that >> we the way that the bond is written is that we will take out a bond up to two. >> Right. So if that means that back and we only need to take out >> good point >> $200,000 we because the bond sale isn't until the summer. >> Oh, right. So you have between March twice a year. >> Yeah. We're going to be effectively spending the money before we have it. >> Okay. >> So we're going to be spending money as they're breaking ground. So, not ideal, but because it's a bond, because we've that money is guaranteed, they know they're getting it. It's not as if they're going to >> We're not going to issue a bond, right? >> They that it will happen. We are once the once the measure passes,
if the measure passes, we're required by law to >> go do something with that. I mean, we didn't last year because we're not raising a bond for a dollar, right? >> That's silly, >> right? >> But, um, I believe that is the case. As long as the wording is up to that amount, we get the quotes back and it's $300,000. We only take out as much as we can. >> You're right. That is what Molly said. Good memory. [laughter] >> It's late. >> I'll I'll confirm. >> I would absolutely confirm my faulty memory. >> Okay. So, I've got um the list. I'll send out a kind of >> who's going to do what um in that specific time frame. Um, I will say that um, I we did a parent survey during our student led
conferences and one of the questions was, "Are you aware of this project? Do you feel informed?" And the majority of parents said yes. >> Oh, cool. >> Wow, >> that's awesome. >> Who's been talking? >> We've been talking. >> Good for you. >> Love it. >> I put it in every newsletter. And maybe some of those community conversations that we do might be during the >> you know um monthly like >> what do you call it >> assemblies. >> Yes. Thank you for the words. >> Yeah. So one question I had is what is the critical meeting that I need to get parents to attend >> related to the bond? What's like the critical meeting? >> It would be the January community meetings that we set up. Well, >> you're talking about the actual >>
deliberative session in February session. >> Sorry. >> So, if somebody could send me those dates, I'll start circulating them. >> All right, I'll send you those dates. I have them. >> And you know what? This may be something that we put on here. >> Jane, they're on that Google doc, you guys. >> I'm going to have oneonone conversations. >> I'm gonna have one-on-one conversations and pull in parents. >> Cool. Yeah, I think that's better than putting it on there. >> I don't know that that's our challenged puppet issue for this. >> I think who comes out to vote is what's turns out to vote. You're right. >> And getting people >> but they're not the >> getting people to the deliberative session. Last year we hardly had anybody there >> plus snowstorm. >> But the
vote was what? One off or something. It only didn't pass by one vote, >> right? No, it was >> in the delivery session. Yeah, it was one vote. >> It was one vote, but it speaks to the fact that if we had more people there, we had parents there. >> Parents, >> but I mean they then they can vote. >> All right. So, well, one question that I have >> is we need a headline. >> Oh, yeah. So, what is our headline? >> It's not school safety project. >> Keep our future safe. >> Keep >> Seth, you're good with the words. >> Keep our students If you can if you guys want us to think of something, but we need we need a headline so that this can stand on its own. >> Let me
see what chop GPT says. >> Safety solution. >> Designing a safe future. >> Designing a safe >> at our school. >> What did you >> designing a safer future? >> I like that. >> Okay. >> I do like that. >> This one creating >> I like it. >> Or designing. Designing just implies, hey, this is our this is what we're thinking. This is >> right. But do we want to make it creative because that's what we want. >> Are we just going to sit on the design? >> I'm being devised. >> It' be planning also create >> I don't know creating >> because we're not physically >> our group is not physically creating it but we're planning it or we're designing it. >> So this is what chatb says. safe schools, strong futures. >> We
can all we can we need to word smith these bullets. So, you can grab them out of the PowerPoint and just in a word document because we'll need that anyway. >> And if you can think of a way >> Yeah, cuz I overthought like I I ran out of steam. So, let's >> It's great. >> It does need to be cut down. So, I'd love your view on that. And then I can just replace it in these boxes and then any headline you can come up with. I just want to start printing these out. And what we can do is I can actually put this two to a page. It's not too small. See how that looks. And then it's printed in much larger paper too if you need to. >> So we're all going
to be doing a lot of >> conversing between now and the end of December. >> What's our deadline for getting our talking points set in stone so that we know when to set our >> We also need a next meeting as well. >> Um so talking points, >> I'll work on that, you know, the next couple days. Well, I what I'll do is I'll go home and pull out >> and take a and send and >> Perfect. >> Thank you. >> So, can we do talking points before Thanksgiving? >> Yeah. >> I think we can do them by next week >> by week from today >> because what else do we need? It's really we're pulling it out of this. >> It's an up. Well, right. >> Heading the points and then updated >> drawing
>> visual. Is that going to be our package? >> Maybe it's what we pull come in with. I can update this graphic. with your talking points and drawing. >> Okay. I'm by this weekend. >> You are the trifecta of talking points and graphics. Okay. All right. >> This would be the other part I would think we'd want to have in there. The tax impact. >> Yep. >> Once that's number re Yeah. >> Yeah. Might do your spreadsheet. >> So, so 500 at 4%. >> Yeah. >> It's probably going to be less than that, but >> probably will. >> Yeah. We just Yeah. Right now it's 500 at 4.5. You know, >> yeah, barely change. It'll still be a 14. >> Is is it usually the Fed funds rate what the bond issues? >> I'm not
sure. >> I am not I am not a business administrator. >> No, I mean it higher than funds rate. >> Yes. >> Because it's municipal bonds. It's a municipal bond. It's a different >> market. I mean, >> yeah. Do we feel that we need to meet next month given that everyone has a lot of assigned tasks or do >> I think we can we meet after the holidays? >> We should just to make sure that we're prepared for the >> community meetings the bond the bond hearing >> and everything like that even if it's short and it's just like a let's go. >> But do we just do that in early January right before the meeting? >> Sure. >> Just because we we're all running around with separate side meetings in December. >> Yep. >>
Yeah. Do you want to skip December and go to January? >> Yeah, because I think we also communicate really well on email. >> Yeah, we happen to do a good job. >> I mean, if if if we need a meeting, we do a Zoom meeting. >> That's Well, we have to be >> Well, you can record it from your house. >> Yeah. No, thank you. >> You don't want to record the Zoom meeting? >> We could. >> No, we can't January early first week. >> October. Isn't there to meet anybody out? to >> um when's the school board meeting? >> Decean schoolboard meeting. Do you remember offh hand? >> No, >> I can tell you. >> I think it might be the first. >> No, January. >> January. >> I think it's January 8th. It's
January. >> First is the first Thursday of the month, >> right? That's a holiday. January 1. Hearing school [laughter] board >> of January. >> You're a hardcore January project. entire school week. >> No, never. >> January 8th. >> I think it's >> January 8th is the school board meeting. >> What does the Google doc say? >> The Google doc says that the first >> It wouldn't be on a federal holiday on a holiday. >> Who would do that to us? >> Do you guys want to meet January 5th or >> on the 5th? >> Yeah. >> 5th. >> Is that a Monday? >> Monday. Monday. >> Yeah, sounds good. >> When's school back? Is school back on the second? >> No. >> So, that's the first day of school? >> Yes. >> Feel about that,
Susie? The 5th. >> It's also recycle day. >> Let's get it done. >> All right. The 5th. >> 6 p.m. >> Right. The fifth. Monday the 5th. >> Can we do Do you guys want to do an hour and a half or do you think we can knock it out? >> I think we'll be in an hour. >> We are very loquacious. So, I would probably do an hour and a half. >> I think that if we give ourselves an hour and a half, we'll go two hours. We've never stuck to an hour. >> Yeah. during this. >> Okay. So, let's plan. [laughter] >> Okay. Um, and what's the the meeting that we're preparing for? >> We're going to be preparing for community sessions which we'll we'll need to have scheduled. So, one in January,
one in February, one March. >> And what's the date again? The municipal bond date. >> The hearing date 12th. >> We don't have a date yet. >> Date. The board will set that when we meet >> in December. Public hearing. So, if we tend to meet on Monday, >> well, the board has to decide. >> Would we do a community meeting on the following Monday? >> Separate. >> We could, yeah, but we'd want to >> the board would >> market for that. >> And I don't know, do we I guess I question whether quality over quantity. Three community forums to me sounds like a lot versus like if we did maybe one in February, one big one in February that we've marketed really well because don't forget these meetings are public. We're putting like we're
really pounding the pavement with regards to our communication about what we're doing and if we want to get people out to vote and we want to get people to deliberative session that's asking a lot of people. >> Are you worried that people will say there's a bond hearing and I know nothing about it. >> I'm not. >> not after all these meetings and not at least not from the school. >> You're touching the school community. You're not what? >> Yeah, but you're about to with all these >> that's just all the touches in town. We're not touching citizens. >> Yeah. >> Residents. >> So that's something that could go out through maybe Sue McKinnon. I'm just thinking about, you know, again, quality over quantity for me that >> How would you propose getting that word
out? >> I think the recommunity forms is a lot. >> I do too. >> Um, so here's here was the one of the challenges is there were a lot of issues brought up in the community forums that were not even addressed or talked about. >> It was like you had your say in that. Yeah, exactly. >> That's probably going to happen here also when somebody says, you know, well, do you really need that? Nobody's going to say, well, we'll take it under adisement. Because you aren't going to take it under adisement. >> I think the difference is the amount of time that 10 people have sat around and looked at it from all the different perspectives. That did not happen the first time around it it at all. >> And I think we have to
be clear about that. We are we're not there to seek input. We're there to provide information, >> right? >> And I think that could have been perhaps more clear the first time around, right? That we're providing information >> that might >> or there might be >> I don't think that's incorrect, but I wouldn't say it like that. >> I would probably say that we have put together a community group that has, you know, perspective, >> the input from like everything. >> I don't want to turn people off by saying it in exactly those words. I think we need to massage it a little. >> I can acknowledge that that's not >> Yeah, it's not finessed. >> Well, I think what the events from last year forced us to take another look and we assembled a
group to go back to the drawing board and we feel like we've turned over every stone. So, it is we're going to have a ready response for most of these questions. So here were some of the So Mark was playing devil's advocate before I left and he was like, "Well, why don't you just have a couple more teachers stand outside so the kids aren't in the way? What would your response be to that? Why don't you just have another cop come during drop off and pick up?" >> So I just I you know, he was being Yep. >> You know, so so you know, isn't there a cheaper way to do this? Why are you going to ask people for half a million dollars? >> Right. >> Okay. I'm just you know again helping us
answer those questions by saying we don't have enough police right now. Uh it's a very difficult it's dangerous >> near misstorm some about >> do we really want to put teachers at risk playing carinders? >> Well I I don't know but you know it's sort of like >> you know >> you could hire a couple crossing guards. >> I like that. >> Go ahead. I I like when somebody brought up that this is not the last five to seven years that this has been being considered. This sounds like this has been considered redoing recognizing that this has been dangerous from the get-go for 30 years and that we're finally addressing it and it's not going to cost an individual half a million dollars. It's going to cost them a hundred. Yeah, >> that feels a
lot different when it's down to >> Yeah. >> So, be careful with 100 because it's 10 years, >> right? >> Um I would say, sorry, go ahead. >> No, I mean this you could Google optimum school design and it's so funny how many of our ideas are already incorporated in that. The one-way loop is pretty standard for >> every modern elementary school. We happen to have one that was grandfathered in, >> right? and it wasn't thought about, you know, in years past and it's been a discussion point for 30 years in town. >> So, yeah. >> And I think also how the issue is defined. It's not just the crosswalk, >> right? >> That's not >> it's the cars that the proximity of the cars to this building, the overall traffic flow issue. >> Cars
and buses, cars to cars, cars to students, buses to students. >> There's not enough parking. There's no signage. The surface has to be You have to resurface the parking lot anyway. So it's silly to do one without the other. >> So I could say, but your your drop off and and pickup takes 20 minutes. You're going to spend all that money for 20 minutes. >> It's not about reducing the time for drop off. >> No, no, no, no. But it's this is a 20 minute problem >> twice a day. I'm just, you know, I think those are >> going to be really good >> opportunities for us to think about what answers we need to start crafting >> what we need to start thinking about how we need to make sure that we're communicating effectively
to, >> you know, different people. I think those are really helpful things to think about. >> Um, but in regards to kind of frequency of community conversations, um, >> you just want one. I would. So, the town votes on the 10th of March. The bond hearing will be in January. >> January. >> The deliberative session will be in February. The big ones that we need to have people show up for are the >> deliberative session >> and the voting and going not giving them enough time to understand it is one thing and then not reminding them to vote is another thing. So, um, we do need to make sure that the community is aware of it if they're not already aware that it's going to be on the ballot. Um, so I mean, I'm open
to doing two, maybe one in January and one in mid to late February since voting is early March. >> Um, do you have a lot to do with January school board meeting? We always have a lot. >> It's a public hearing on the budget and >> yeah, it's usually a ton. >> Yeah, it's this is budget season. You know, we're going to talk about >> Well, I mean, at the bond hearing, I imagine you might take some of these types of questions, right? >> I mean, so it's almost a community forum and de facto. >> We could communicate. We could [clears throat] provide additional communication about the bond hearing. >> Use that time to learn about the project. Is that is it appropriate for the school to put out a physical mailing postcard saying something
about our >> we're working with um Gilfoil, the public relations firm, on some messaging for the project >> so that they know the dates so that we could get everybody in the community to at least have one thing in their mail that says, "Hey, these are important dates. It doesn't matter how you come out and vote. >> That's being done through the public soon. >> So, is there is there a physical mailer or is it a >> It's all in process. I don't I'm not sure yet. >> And is it going to be SAO or is it going to be new fields? >> I'm not sure yet. >> It's all still in process. We're at the very early stages. >> Okay. So, that's good that that's being touched. That's great. >> That's a good idea
though to get it up to the school. Can you find out if it's just SEU or if it's just new fields or if we have an option to potentially do that for just new fields and what the if that's the case, I'm assuming it's going to be out of our budget. >> Oh, sure it is. >> You just want to get a mailer out to the families in the school? >> No. To the whole community. The whole Okay. >> Usually mailer, we've done them before. They're they're it's not >> it's not crazy expensive. It's just the designing of it. >> And I think so many people's inboxes are so full that they just It's information overload digital inbox, not physical mailbox. Yeah, >> I think >> I was I was thinking we could just split
up the neighborhoods and probably get most of town. >> Yeah, right. Gilfoil, the public relations firm is more for I think an article about the project to be published in a you know a maybe sequence online or something to that effect. I think we're talking about a physical mailer. >> You're talking about a physical mailer. >> Yeah, it's not cheap if we wanted. And this is not really the mailbox. >> I wouldn't I wouldn't I would >> I agree. >> Let them know that it was there, but not >> we had there was a short article in the last one that just said this was happening. >> Yeah. >> Oh, okay. >> In the newsletter. >> In the quarterly newsletter for the town. Okay. >> But the time deadlines will not work to put a
big thing in. >> No. And we won't have it. We won't have another one until >> March. April. It'll be after the election. >> Okay. All right. So, next meeting, January 8th. >> The fifth. >> Fifth. >> Board meeting is the eth. Our meeting is the fifth. >> Is that the meeting we have to go to? >> The fifth. >> This committee meeting. >> We have to go the eth. >> The eth or do we have to go this month? >> Both. >> Yeah. For the >> Yeah. I don't know. [laughter] Hurry.
