okay i think we are streaming dab okay to start yup we're good thank you i'll call the meeting to order and ask for a motion for executive session for the purpose of just in the employment history of 12 particular persons please jen michelle all in favor thank you so log out of here or leave here and log into the other meeting please welcome back everybody hey nate hi dab i have 6 okay to start yes okay and i think we have everybody back oh not beth yet give her a second she's coming in right now okay i think we have everyone welcome everybody thanks for being with us tonight in whatever form you are with us this evening happy valentine's day to anybody who celebrates and we will call the meeting to order and ask

everyone to stand for the pledge please i pledge allegiance to the flag of the united states of america and to the republic for which it stands one nation under god indivisible with liberty and justice for all thank you everyone jamie ready for you whenever you are all right good evening and happy valentine's day to celebrate as well no place you'd rather be than right here with us on valentine's day i'm sure so i have a few things i hope hope to not take too long with all of them i just wanted to give a recognition to our middle school drama they this weekend had dear arduino junior three showings and it was fantastic it was just a really fun show the audience the students the adults that worked on it clearly had a great time

and it was just nice to see that joyful energy you know back back in the auditorium because remember last year they didn't have a show and so it was nice to see that that back and so that was a point worth celebrating i don't want to steal any of nate's thunder so i'm going to be really careful here and i'm going to venture into the academy stuff uh so i'm going to i'm going to change my comments a little bit i want to talk a little bit about calendar of 2022 and 23 next year's school calendar boces did adopt theirs last week that lets us then kind of go in and try to finalize our calendar which is something we'll work on over the next few weeks debbie kind of put a draft in order

and it's a tight calendar again the last two years have been really tight this this one might be the the most difficult of all of them because we begin after almost a full week in september and then the last raiding day for regents we have another full week in june before uh after school is out before we even get into july which you know that shows that it's shortened um and then next year also is when juneteenth becomes a required holiday for schools this year was not required next year it is so that's one more day we have to kind of factor in um the points of contention typically are whether or not our calendar aligns with monroe county calendars because we have a lot of people who live in monroe county and their children

go there and specifically spring break and they do align this year this next year i should say this current year they do not which is difficult for families and so that's that's a plus but we found ourselves in a position to be uh we're we're going to be short a day and the holiday break um is a week and a day at most and it might just be a week because like i said we're sure a staff day um but i'm going to talk to cta leadership this week about the concept of a day before labor day again uh to take care of a lot of those required trainings uh and that way you can get they can get a day and a week uh over the holiday break which is what boces is doing

so we're still working on that we'll bring it to you and we have a little bit better idea of what it'll look like but i just wanted to throw that out there that it's in the works um i also want to talk about last week governor hocal uh did mention um specific to schools and and masking and some of the mandates that uh in her words she anticipates the the requirements for asking in schools to go away after march 4th but she didn't make that a guarantee she said she wanted to look at a few things one of those things was the rate of infection amongst school-age students and staff the week before that in the week before that is the week we come back from february break so specifically i think the worry is

is there kind of a mini surge from february break and so that's something to pay attention to she's alluded to the fact that we're going to send students home with tests um there's probably more tests coming but today as some of you know a number of us sorted tests for students and staff so wednesday of this week all students and all staff will get a test kit and then a kit there's two tests to go to take home with them the idea is if you're gathering over february break use it use it to see and make sure you can safely gather and then to save one and to test uh sunday night before returning to school um and so we'll we'll send a communication out specifically about that to all staff and all families letting

them know what these tests are for but they've really inundated communities with tests um you know even after sorting all those we still have about 800 or so and i think we had a little over 2000 that are coming again tomorrow um of which we are donating uh a thousand of those back to boces uh in a in a call i had with boces they had indicated that they never had enough tests for their staff um and so you know we had enough i you know i made the decision to donate a thousand back to them so that they could pass them out to their staff uh and so that was something that we're doing but we have we have plenty the county ordered a lot and they said if we ever need any we

can reach out to them too so that's the piece about tess um i wanted to quickly mention uh the capital project right at friday i was um it was friday no it was thursday i was walking around over at the primary elementary school and i was kind of in the primary area of the school by the main office and i was just kind of standing there looking around and some of you know jen burke stresser she's our head custodian at the primary elementary school she walked by me once and i'm just i was just kind of looking around taking it all in she walked by me a second time and she just caught my attention and said isn't it beautiful and i said what do you mean and she said just this building now i

mean look at look at all the upgrades look how bright it is look how clean it looks look how great this is i just get so happy when i'm over here those were her words and i just thought you know exactly and i responded and said you know this is something i think our students and our staff they deserve they deserve to have a really bright vibrant cheerful new space to be in and so while the avenue to get there is not always easy or clean or um conducive uh people have been really great and uh they're starting to see the fruits of that you know that sacrifice to get to this point and so we have a couple years ahead of us still and it'll be a long haul but truly it seems as

though when we get there it'll be well worth it things are really looking pretty fantastic and then the last thing i want to mention is on this agenda we have some retirements and on supplemental we have some retirements and we talked a little bit about that during agenda setting and i think genie asked you know how many years of service are retiring this year and so debbie like she does um went out there and looked up every retiree we have this year and how many years of service that they have dedicated to this school district or to education in its 677 years of experience and education are retiring from canada this year and as i said to a group of them who insisted on turning their retirement letters into me in person a couple weeks

ago you know we we'll we'll post and we'll hire a person to come in but what's hard to replace are are the years of experience and expertise and professionalism that they gain from honing their craft over time we might be able to bring someone in with experience that is a great teacher but you know we're definitely going to take a step back when you talk about that much experience and involvement when you look at that list of people and see all the things they're involved in in our school system beyond the classroom it's going to be a hard a hard group of people to fill and so we just thank them for their service we thank them for all they've done for our community uh we thank them for all they've done for our students

shaping the future and so i just felt like i'd be remiss if i didn't mention that in my opening remarks so uh to all those teachers and staff members who are retiring this year thank you for all you've done for our community thanks jamie anything else well depends if me if nate doesn't talk about a few things i want to circle back but i have a feeling he's going to cover it all i promise you can welcome nate you're hello up um not really a ton this week um from the past couple weeks but you know there are a few pretty big things um first off we had a um food drive around the super bowl it's called the like soup soup er bowl it's pretty funny but the academy got three boxes of food

raised i don't know how the other schools did i think it was a district-wide thing but we got three boxes um the theater is keeping strong doing rehearsals every day sports everybody's getting ready for sectionals except swimming who won sectionals last thursday so yeah that was that was really cool we had a lot of great swims that night and you know everybody at school is just kind of getting settled into the uh the second semester so starting to get back into the group of things but you know everybody's also looking forward to february break so get a nice week off oh yeah i mean you know you guys are probably going to be talking about it anyway so um i did break did manage to break a pretty old record up there on the board

so that was that was pretty cool so yeah and that's all i have and i apologize i do have to leave after my little part here so that's okay nate did you have any other good news about yourself that you wanted to share with us oh i got into the university of maine great good well thanks for sharing all of your good news and all of the happenings in the schools jamie did you did did nate report everything you would have well i was hoping to talk about his uh record-breaking swim because that is our longest standing uh swim record that was just broken by him so that was great understanding men's record i think yes uh i can't remember her first name but baldwick baldock has a record from i think 96. so the

one i broke was from 98. hopefully it's up there for a while longer that'd be pretty cool yeah that'd be great and so awesome job nate you've always represented the school in such a positive way whether it's in the classroom on this field of competition or just as a person you know we really are proud of you yeah thank you thank you well done thank you so much have a good night nate you as well thank you bye-bye i would just add his nate go is going cna um uh kudos to our our cheerleading team they won uh counties and they won again this past weekend so they're really on a nice winning streak so kudos to them uh our ski team begin sectionals tomorrow the next two days and the end of the week

is bowling sectional so we have a lot of stuff going on which is fun jamie you reminded me of something today i wasn't able to get to the middle um school show but jamie reminded me that the academy players high school um thespians go down to the middle school to see the show um and it's just one of those really great shows of support by our older students for our younger students um and so we love to see it and just want to say thank you to everybody who was able to do that yeah the part that really kind of sticks out with that is our middle school actors and actresses they're a little nervous many of them haven't really taken the stage before and so um you know they they're unsure of themselves and

the way our academy theater students support them and cheer for them and just they applaud they really erupt into applause to help them feel comfortable at different moments where they might be showing some vulnerability and it's just it's just so touching and so genuine and sincere it's that's my favorite part of the whole the whole thing is the older kids supporting younger kids yeah it's pretty great all right that was not one of my four just for the record um let's see we have minutes up for approval astromotions please michelle beth questions or comments all in favor that cares unanimously thank you and uh matt our presentation please jamie is currently working on i think either sharing screens or giving me a religious chair what would you like to do sir there's your answer all

right well good evening everyone uh we have a strategic plan update for um the winter uh we've had a later update for the fall just given a couple different things you want to provide in advance in terms of updates to the board of education in regard to our um our sequencing of educational presentation topics so this one's gonna most specifically kind of focus on goal number three i'll get into that a little bit uh but i guess another uh happening in the district as you can see here's a picture from our spelling bee this year uh we had eva babu from fourth grade as our district champion and steven shahada to the right of uh fredo hamlin here as we can see on the image as our second place winner so they will be representing

us in the regional competition coming up in march so congratulations to them uh in relationship to tonight's update uh jamie if you can advance a slide please it would be great as i mentioned we are going to focus on strategic goal plan or strategic goal number three cultivating an equitable and inclusive inclusive school environment this is a pretty wide ranging goal we've had a series of activities that have taken place over the start of the school year um and a lot of that is an alignment with our diversity and equity inclusion plan and some of the pieces that um are associated with that dating back to last year one of the things that's been helpful jamie if you can advance this slide please is trying to look at a visual like this one we recently

reviewed this visual um it was helpful to put this together uh not only for our extended cabinet so that our administrative team can have full awareness of the alignment of where things are headed with our diversity equity and inclusion plan but really it's the anchor of what our advisory committee has been working on since last year as you can see on the left moving toward the right we have our four district goals and again of which cultivating an equitable inclusive school environment as one of them but that advisory committee really developed an anchor uh for our district's diversity and equity inclusion plan which in fact are those five pillars and the three goals to the right now associated with those five pillars and three goals as we can see them on the screen uh was

a a charge from the committee for us to engage in three very specific activities uh to try to help bring the plan uh to fruition this year and so those three goals for the current school year are as follows uh one of them is to engage in an equity audit to help us gather information to inform our future work uh try to explore professional learning opportunities across the district both for our administrative team as well as our staff and then the third component is to develop a bias incident report and a protocol associated with that for students staff and families and so with these three different goals i want to provide you with some activities to date jim if you can go to the next slide please uh the first piece and you can see

an image from the text that our extended cabinet has been engaging in monthly uh it is a a essentially almost like a playbook or a handbook for schools to consider how to engage in five practices associated with equity focused school leadership so each month at our extended cabinet meetings we've been tackling each one of the practices but we've also spent a little bit of time trying to connect back these five practices and how they correlate to not only to the district plan but some updated documents from the state department of education for a couple of different reasons one to deepen our understanding is we're anticipating supporting the leadership of this work but also to see the alignment between canandaigua's plan and those guiding documents the state has put out in recent months uh as a

result of that we recognize that we wanted to expand professional learning for staff and this has taken on a couple of different forms uh the first piece is that we've had we have had after school workshops uh developed and facilitated by some of our staff members uh that maybe have a deeper interest or are trying to show the alignment to all things diversity equity inclusion to the classroom uh even in our conference day in december i know i facilitated two different workshops uh that was uh an opportunity to try to help some of our newer staff who maybe didn't engage in what we previously engaged our staff in with what was called three epd uh in which our staff explored all of those guiding documents from the state the conference day workshops allowed some of

our newer staff either to engage in it for the first time or perhaps staff that maybe had engaged in it previously uh to see it in a new light in new context uh and i think it was pretty well received by those that that participated and i think is setting the stage for future learning opportunities to come and then the final piece and more recently we've been working on uh is establishing our building leadership teams in order to help uh further the district's diversity equity and inclusion plan uh and that has taken a couple of different forms and buildings are in various stages right now most of them have had a goal anchored in their building sip plans to develop these teams but we spent our most recent cabinet meeting trying to ensure that everybody

had a clear understanding of the direction going forward and we had a bit of a share out across buildings about activities to date so that we can calibrate our progress based on the activities that have occurred thus far the final piece i'm going to have jamie talk a little bit more about at this point we have investigated possible avenues for an equity audit which is one of the uh the three goals uh for us to focus on this year but i'm going to turn over to jamie to provide us a little bit more update and context for that particular component thanks matt so as matt talked about the three goals one of them was to engage in professional learning and he was able to cover a lot of different professional learning we're engaged in as

a district around uh dei work the second goal was uh to perform an equity audit there's not a lot of companies that perform equity audits currently uh but we were able to receive a proposal from a reputable company that's that's somewhat local um where they would come in and do an outside audit and with a lens on equity here in the canada city school district uh after reviewing the proposal i reached back out to the director and just indicated that you know my recommendation is we tap the breaks at this moment and kind of reconvene and look at perhaps what other entities are out there that can perform this work or is there a different approach to take um is there a different hybrid approach between external internal review now the reason that for that

was you know i felt like the proposal uh didn't demonstrate a keen understanding of what our community is and what we were looking for uh with an audit you know it's we have a lot of different diversity here and our largest sort of diversity would be probably our socioeconomic diversity and so a lot of these external equity audit uh firms they're they're accustomed to going into more urban type settings um you know we're we're suburban if not rural if we're being honest with our setting and therefore trying to have uh an organization that understands unique challenges and more of a either a suburban or rural uh sort of setting i think is important nyset is supposed to be putting together kind of a menu of organizations that perform equity audits there's no determination when that

menu will be released uh but i'm trying to find out because it sure would be nice to have five six seven different firms or organizations that we could reach out to and kind of understand what their experience is and where they've been and where they've done work to see to see what the best fit would be here for canada because if we're going to endeavor on this sort of thing we really want to make sure it's done right and uh and they understand canada and what we're looking for here in canada so our recommendation is to put a pause on that we're meeting with the the large dei stakeholder group that's district-wide um next week or shortly not next week because that's a week off the week after i believe it is um and then

we are meeting with the smaller advisory group directly after that so we want to kind of bring everybody in the large group up to speed where we are and then regroup with a small advisory group to say okay now what and and how can we start you know looking for other groups out there that can perform this work for us or do we create something that's a little bit more internally driven with some external components to it and so that's something we'll kind of talk about with the advisory group and again the advisory group has community representation uh district representation and every building is represented too to really help us guide that work and so that's kind of where we are the equity audit and then the third goal was to create a bias incident

response protocol so if there was a bias incident how could someone report it essentially if i'm just being really direct about that in looking what some other schools have done the advisory group recommended that we use the daciform the dignity for all students form it it notes things around bias or racist events and so why create a separate approach when it's built within something that already exists in every school across the state and so there's a link on here i won't follow it because then i'm going to have to scramble to try to get back to the presentation you have the presentation you can follow it but what it does is it takes it takes you directly to our website and we have the dasa website a little page off of there and it on

there it talks about you know what is dasa what is a reportable dasa incident who are the dasa coordinators in every building so what that administrator's name is and what their contact information is and there's also a form to report a asset incident so that's something that we've created this year but i think the next step we would like to do it's twofold we'd like to make it a little bit more of a prominent button on our website so you don't have to go to district and then to dasa and you know click on multiple places somewhere on our main page uh a button that we could click on if somebody needed to report it that's one piece the other piece is we'd like to make that form a a computer fillable form that you

could fill out on your device and then click submit and it would go to the dash of coordinator in the building to which you want to submit it so really make it simplistic for people and so those are some things we're going to start working on with um our director of communications and our director of data uh to try to figure out how how can we create that how can we build that and how can we make it more prominent but they are there they've done a nice job creating it we just need to make it a little bit easier to access so we're engaging in the learning i'm i'm confident we'll have the bias reporting protocol uh exactly where we want it by the end of the year which was our goal but the

equity audit piece i i think we just need to regroup we need to reconvene that advisory group and determine next steps and that will be something probably will engage more in next year at this point and so just continuing the work and i talked a little bit about that we'll continue the book study uh that we're doing with our administrative group i know a number of you have received this book uh but it's a really great roadmap as to uh what to kind of look for and what what to work towards as you're trying to become an equity minded school system more opportunities for professional learning which you know matt and chris van dyne have been doing a great job with that and of course working with vern and a variety of other people that

have a lot of knowledge and expertise in this area the building level teams are really coming along nicely you know i know i started with the board last weekend or last friday you know a student that was expressing thanks for the academy level team that's convened and some of the work that they've done to really create a safer more inclusive school environment and so i felt like that student testimony was pretty powerful stuff we talked about the equity audit a little bit there and again uh we'll work out we'll work with our advisory council to help kind of steer steer the plan and you know what what are some priorities you need to work towards next and uh and that will be our roadmap and so uh matt i wanted to circle back to you

just in case i didn't catch any pieces that you were hoping i would uh and if you feel like i did it justice i will stop sharing the screen in case there's any questions nope he's saying no i just want to point out this photo right here uh mr shiragi really did a great job stepping in we needed help in the kitchen uh serving up sloppy joes and we appreciate it well done so i will stop sharing my screen had to do it sorry matt thank you mr farr i really appreciate it questions from anyone great thank you matt um i read right over the warrants on the agenda so i'm coming back to that we have warrants up for approval um john and or amy motions please i reviewed him with amy i'll move

it thank you john first aimee second thank you questions or comments all in favor that cares unanimously thank you the consensus agenda and supplemental ask for motions please michelle milton questions or comments all in favor that carries unanimously too uh audit committee milton would you report out please i'll be happy to uh we had a our meeting was on friday the 11th and in our conversation with our auditor our internal auditor we were presented with and reviewed the 2021-2022 risk assessment audit plan and schedule and the committee accepted it and you will see it on a future agenda here the committee also wrapped up its review of the audit finance committee charter and with some of the guidance that we received we will be forwarding on to policy for for conversation about how to update

our our charter and i imagine we'll see that at a future board meeting as well and then um matt provided us with some updates around the tax cap and state aid while there you know are still some questions there were still there were for the first time in a long time some answers that were provided so that was positive as well so some good news there great thank you milton uh death policy please so mine can be fairly short um you have two different policies on um with your agenda to look at one is policy 4220 memorial's commemorations naming um we wanted to try now that we're at a formal tig school we wanted to make sure that this was in line with um to guidelines and we also put more information in regulations trying

to just help people navigate um you know what's the best thing to do during um trying stressful times and the other is um policy 3360 student awards and scholarships kind of the same thing um especially with um you know the past two years of having graduation you know not the usual um things have kind of gotten moved around and um marissa actually came to our meeting so that we could talk about you know how things um were working and how we wanted them to work and again trying to make it clear for people that want to set up an award so um you have them for first reading that's it and they'll come back at the next meeting yes great questions or comments all right thank you beth uh character amy or milton were either

of you able to make the meeting milton uh the meeting was a short meeting it occurred on thursday we um we were kicked off by um caroline sort of reminding everyone what the purpose of the committee meeting was it was a highlight meeting more of uh sort of just touching base with what's been happening with character around the district several the items have already been discussed by the committee or brought up in various reports the spelling bee um super bowl um and then just one other item i would say is just the mlk poster contest and if you paid attention to the paper or your twitter feed you might have seen a photo of some of the contestants with mayor palumbo great thank you cie milton are you reporting on that or jen want to

just run the rest of the meeting it's all yours so let's go back to wednesday so wednesday the 9th we had a meeting matt uh again kind of does it well does a really great job always with really setting up and using the council's time in a very efficient manner um i i do think we were set up well to discuss some of the stimulus funding reviewing not only what is eligible for funding but also what has been funded in the past breakout rooms were used to discuss and develop ideas for additional use of funds there were several ideas shared out we will probably see some of that maybe in the future here at the board we also approved a name change pending other approvals from ncaa and a few other organizations pe is recommending

a name change from strength and conditioning to reflect a more personal fitness and performance component which seems to be more conducive to removing gender from a lot of the a lot of the course names that we currently see and then um that will likely be on a future agenda if it's not on this agenda i didn't see it but that doesn't mean it wasn't there and then finally we also recommended um in addition to the canon of literature k through or for the kindergarten um and that is on the agenda great thank you uh and the other committees did safety meet nope okay and covet 19 jen yes um it meets all the time while we through data we uh this week in particular worked quite a bit on what our options were for some

future orders of some ppe the n95 kn 95 ffp2 options they're really complex and i have to thank brian nolan in particular for hanging in with me on all of that because i am a stickler to get it right if we're gonna have protective equipment or a building it has to be appropriate and not a tissue on your face so um he hung in there he's he's got stamina and i'm really pleased that we're heading in the right direction with that so thank you very very much to brian on that one great if i could just add to that it is so you know i've said it before but it's so nice having jen as a resource that you know some of these well you may have heard of some schools and some you know

counties and things like that that might have ordered uh you know some equipment that is counterfeit so um you know having jen be able to take a look at it ensures that we know where we're getting so so that's great awesome good teamwork everybody jamie anything else from you before we close and i would just say jen's gracious enough to work with the county even so i did an email invite with the county leaders for the similar thing to make sure they're ordering real things not counterfeit things so thanks for that last thing i'll just leave you with is as i've stated over and over again at our peak just a few three four weeks ago we had over 200 in isolation and about 300 in quarantine uh as of today we have two staff

members in isolation 13 students in isolation and four students in quarantine what a what uh what a difference three to four weeks have made so so hopefully we can keep keeping that pace yep great well have a safe and wonderful february break everybody we'll see you at the next board meeting if not before and i'll ask for emotions to adjourn michelle every meeting michelle and milton all in favor i assume that's unanimous thank you thanks good night every
