001preparing live stream I'm going to start recording as well okay good to go Deb uh Shing live stream I'm gonna start recording as well okay yeah hold on just a moment yes it should be live now but oh it was it was live for me is it not for somebody else is it for you John do you get it J Jen says she can see it live okay hold on let me try this Megan can well maybe something's M because I had my computer up so maybe that's why so I guess and I had to I had to close out of it because of the feedback yeah well if you guys have it then I'm sure we're fine okay okay we start then okay great welcome everybody I'll call the meeting to order and ask

002everyone to stand for the pledge please I pledge allegiance to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible with liberty and justice for all thanks for being with us tonight everybody it's really nice to see everyone I hope everyone is healthy and hanging in there and we have a nice little agenda so we'll get right to it Jamie good evening uh great to see everyone as well so I am going to just share my screen if you don't mind and humor me a little bit here uh what I wanted to do was share a little bit of information that I shared during our town hall meetings uh for a couple reasons I want to make sure everybody fully understands has an opportunity

003to ask some questions I'm not going to through the whole entire presentation I'm just going to highlight a couple of the slides that are likely the slides that you're getting the most questions about and so uh I just want to talk briefly about that today and if you didn't catch it uh we had three uh press conferences today with Governor Cuomo and so uh learned a little bit there and then we had a webinar um that was put on by the New York State Department of Health that we learned a little bit more that actually caused us to change this presentation slightly um because we had some clarity that was missing prior so uh two weeks ago the governor rolled out his winter covid strategy to combat covid and I'm not going to go into

004present mode hopefully can everybody see this screen okay in the mode it's in now okay thank you so a couple different pieces that I think we need to be aware of is the piece around Hospital capacity in the spring there were some H hospitals that reached capacity and um and it really created a log Jam in those hospitals but there are hospitals that have conglomerate hospitals such such as Thompson and and Clifton and things like that and what the governor is saying that you know we have to send people to those hospitals if there's beds and not have um it be over full at strong or RGH for example um you know he talked about having testing lines being balanced where you're not waiting for two hours at one place but going right through in

005another place and and somehow balancing uh so people can be tested in a timely fashion the middle uh Point here is the one I wanted to really talk about is keep schools open safely we've heard it over and over again he had Dr fouchi join uh him and when I say him Governor Cuomo at one of his press conferences last week Dr fouchi reiterated that a lot of the early testing that's happening in schools is uh an affirmation that schools are safe knock on wood relatively safe comparatively thus far they're safe and so keep them open because they also see it as a service to the Community Schools being open means keeping closed tabs and a watchful eye on a large population of people within a community uh Health screenings every day uh really kind

006of tracking things from a health standpoint keeps the community healthier and so he really talked a lot about keeping schools open we've heard it time and time again even today in Governor colan's press conference mentioned it again uh now they're saying that 74% of the covid cases in New York state are linked back to um small Gatherings so things like Thanksgiving or a birthday party or things like that small Gatherings because we have to do contact tracing it's pretty easy to tell and to link back for the most part where these cases are being transmitted so in New York state 74% are that that's pretty alarming uh and then the last thing is vaccinations you probably saw today the first vaccinations in New York state were given and uh hopefully that will continue to uh

007to ramp up so just wanted to mention those were his Five Points he continues to talk about and in the middle of that is keeping schools safely open the cluster Zone designations has has changed quite a bit over time if you remember originally a yellow zone once you were deemed a yellow zone you had to test 20% every week uh that's shifted it is now 20% over the course of two weeks if you're a yellow zone it's not every week it's every two weeks um and then if you're an orange or red zone you used to have to shut down and before you could reopen you had to test everybody before you can bring them back that's not the case any longer if you're in Orange Zone you have to test 20% over a month

008time period And if you're a red zone is 30% over a month time period And so really as it comes to testing the yellow zone is really the most restrictive perhaps the reason behind that is it's an initial diagnosis and let's get a strong temperature check right out of the gates and usually it kind of builds from yellow to Orange to red and so when you go to Orange you already have been through the yellow phase uh there have been instances at least I believe where they foregone phases and gone right down orange or right to a red uh certainly that's been the case not in our area at this point today uh Governor Pomo did extend some Zone designations in our area uh most notably in our area it was genesy uh Valley and

009bavia had became uh yellow zone after you know today it was announced did not reach us in Ontario County at this point we're still without his own designation um if you're looking over on the the side to the right Hospital capacity is an added component so if you're watching his press conferences you'll see him talk about Hospital capacity and what he talked about today is the fingerlakes region which includes Rochester is a number one and we don't want to be number one number one in infection rate and number one in hospitalization rates in in the state of New York work so that's something to pay close attention to starting to hear this evening that RGH is reaching capacity I don't know exactly what that means are those reallocated beds and they're still at capacity or

010they they've yet to reallocate beds uh that's some data that's some data we want to watch closely these two bullet points actually as we first knew it were contradictory but this is where we had Clarity today on the uh Department of Health webinar so if we're in a Zone and we have to do testing if after the testing our school's infection rate is below the rate of the community at large we can stop testing if we choose to okay uh that's they explained that more clearly if if I'll say it again if your school's infection rate is below the infection rate of the community at large the school can then stop testing if your sample size from testing produces a 3% positivity rate or higher School must then go to remote at this point uh

011the the Monroe County schools that have done testing a few weeks ago their positivity rate is in the range of 0.1 uh very very low comparatively that was two to three weeks ago things may have changed but um at this point we don't believe so so this is something to pay close attention to and just be aware of now these are the parts I won't show the video you probably saw the video that we made that the test is not that invasive it's prettyy easy uh and and certainly not painful at all but we do have a communication plan in place if we're designated a Zone what we're ready to do is to do a community Forum that night we will do a community Forum so people can understand what our process is and what

012our plan is we'll record it and we'll make it available the next day to anybody who couldn't make it but we will then send uh through brav Square an opt-in opt out survey for parents and staff they can opt their children or as a staff member they can opt themselves into testing or out of testing we'll give them a few days to do that optin op opt out permission form and then Tracy Lindsay will work his data magic and he will do a random draw of 20% of the opin we will then schedule those opt-in folks and give them a time to be tested we'll tell everyone who was selected this is you were selected and this is your time to test but we will also give them an option if for example my youngest

013child maybe she's a little nervous and her name was drawn will give families an option and staff to do a drive-thru um Carside testing option so they can be there with their child or if it's you just don't want the inconvenience of doing it during your workday you can do the drive-through option at night just to help give options for folks uh so we will communicate that the initial plan is for staff whose name is drawn uh they would do their test on Wednesday which is a remote day um but if they don't typically come in on a Wednesday and it it creates uh Child Care issues for them they can do it on the Tuesday prior um during lunch a planning period uh or time that they have during the school day to do

014it for students the way we're looking at it right now is it would happen during physical education class so in many instances we're not using the locker rooms and so we could set up a testing station in a locker room pull the kids out that were opted in that were selected take the test and right back into the fette class so those are some Logistics we're working out but that is the plan at this phase we have a PowerPoint or a Google slideshow already ready for the community for we have FAQ documents created for the community we have videos this video we created and Dr mendo's video we have a lot of resources for families to really learn you know what the process will look like so far we have 19 people on our staff

015trained to administer the test so all of our nurses our Co Runners who are par Professionals in each building that have volunteered to be a covid runner and a tester and uh also Vern Tenny and Brian Nolan so we have quite a few we also have a couple sub nurses and we have our athletic trainer that would be on top of the 19 that would that would help us deliver these tests uh and so that's important for you to understand that um you know I believe we've had really tight guidelines when it comes to our safety protocol you know we've really uh been thoughtful about every step of the way uh and and our numbers have reflected that we actually have quite favorable numbers for our our district size uh and when I say our

016numbers I'm talking about covid cases and quarantine cases at this point uh and but to anybody who might say uh gez I believe so and so probably should have been quarantined or isolated but maybe the district didn't take it as serious and didn't do it I want people to understand the process actually um and so we really don't have much say in that uh where the district has made aware of a covid case it might be from the Department of Health it might be from the family or the staff member we do our initial investigation so we look at what are our healthy behaviors in school what's our maske wearing behaviors what's our social distancing behaviors what are our cleaning protocols we look at seating charts we watch video and we really try to determine

017the extent and length of exposure we collect names and phone numbers we do an initial investigation we turn it all over to the Department of Health they do the more thorough investigation and then we'll call us back and say okay these people are quarantined these people are isolated it's their decision we may help communicate that for them because they're swamped we may say all right we we'll make some phone calls for you or we might be preemptive make some phone calls because we know it's coming and out of an abundance of caution but whatever the Department of Health tells us in terms of isolation and quarantining we follow those orders to our staff's credit you know we we first we haven't had many cases we've only had a couple cases where there was um a

018potential for a school-based exposure only a couple and in those cases where we've had a couple because of our procedures and our our students and staff being so diligent with those expectations it's actually kept others from being quarantined and and that's not something you're seeing elsewhere uh and so major kudos to our staff and our students for for taking these protocols seriously they're doing a great job they really are um but most of our covid cases I would say almost every single one of them and I look at these this data every day is a result of a parent has a symptom or has covid then their family has to quarantine and then eventually a week or two later the child develops covid uh and and they had and so the way it works is

019you have to look back when did they become symptomatic and look back 48 hours before that or when did they test positive and what was your um interactions 48 hours before that and those people were assumed to perhaps encounter you when you were contagious our hybrid model actually has helped us in in a lot of ways with that where a large number because of our hybrid model when they developed symptoms if you did the 48 hour look back and they were in one cohort they actually weren't in school um for you know five four or five days uh and so we've really locked out in that regard um but anyway it's it's really the department of Health's call and we help communicate that this is a piece that's confusing for folks quarantining versus isolating if

020someone's isolating that means they have covid in essence in our experience if you're isolated you have covid you're probably coming back to school on day 11 just the way it happens to work uh they're they're in isolation for 10 days until symptoms are improving uh or non-existent uh and they're cleared by a medical professional they're usually back on day 11 if you've been potentially exposed to somebody with covid you have to quarantine for 14 days so the person who actually has covid is actually back before the person who might have been exposed to covid and that's confusing for people and you can't really get out of quarantine or isolation early I mean it's it's the 10 and it's the 14 and that's that you might have heard CDC is looking to reduce quarantine orders to

02110 days we're really taking the guidance from New York State Department of Health not CDC and New York State Department of Health doesn't seem interested in that concept at this point and so just keep your ears and eyes open for that as well and then the last thing I wanted to mention because we get this question a lot a contact of a contact does not need quarantine so let me try to give you an example um let's just say we have in a classroom a student who the previous weekend was around somebody who now has covid so they are a contact to that person who now has covid and it was within that 48 hour look back that person that student now needs to quarantine the whole class doesn't need to quarantine they're contact of

022a contact of someone who had Co and so we we get that quite a bit or um let's just say I was around somebody I wasn't but let's just say I was at least not that I know who developed covid and I was exposed to it let's just say that happened and now I have to quarantine my family does not have to quarantine they are contacts of me and I'm a contact of the co P they're a contact of a contact if that makes sense and that really um we get that question almost every single time there's a case almost every single time because it's confusing and people get nervous um now if I were to develop Thea the example I used with you with my family and me if I were to develop symptoms

023and all likelihood now my family would have to quarantine uh because they in all likelihood were going to make some assumptions and maybe out of an abundance of c and say yeah we we need to quarantine them as well uh and then the last thing I wanted to share hopefully I can just scoot over and you'll be able to see it here uh is a page on our website can you see that I just s thank you so uh early on in all this when I was seeing a lot of districts communicating every single day with a new letter a new letter a new letter and we had a couple uh we made a determination that and we communicated this that we will communicate immediately if there is a potential for a school exposure and

024we've done that all along otherwise we will communicate in our Friday Communications because we didn't want to um overwhelm people with communication that had no immediacy or urgency to it and then people stopped reading them they you know they just disregard them every time uh well we heard from some folks that maybe uh they wanted a greater level of transparency and a more consistent means of communicating and so last week we launched this on our website every day it's updated by 3 o'clock and it is a daily update of our covid numbers and so this is today's it was updated at three and it was based Bas off of noon data and what you'll see is the number of cases by building and by student and by staff and by virtual and by in person

025and so it breaks it all down and then the important thing is change from last report and today and this includes the weekend you can see for students nothing changed since Friday you know we still have the same number and then you scroll over to staff cases all the way down through and you'll see changed from last report we actually have plus two uh from Friday among staff and they're they're uh both at the Academy level okay and then it'll have a total of Active cases and then the number who have returned so it tells you how many total cases were up to 34 total now know that a few of those um are virtual students few of those are out of District placed um you know many most have had no school exposure whatsoever

026and so this is not an active way of communicating this every day it's more of a passive way and if people want more if you're hearing as a board that people want those daily letters regardless by all means let me know and we will do that uh we are trying not to be uh overwhelming people with communication so they stopped reading that it that was purposeful but if it's not what people want we'll certainly change and so that's really all I have I'm going to stop sharing so everybody can see each other I know I shared a lot there and I tried to be fairly quick with it um maybe if there's any questions Michelle yeah I have two two questions that you may not be able to answer yet one is that the state

027has a hierarchy of of who gets the vaccines first so I'm wondering if you have any information on where teachers and School District Personnel fall and that hierarchy and then two is there any talk about rolling out mandatory vaccines for students is just like you get immunization you have to you have to have I'm just curious if there's any Buzz about that uh yep we're at level two so right now we're at level one immuniz immunization for emergency responders teachers are level two our school staff Educators and then as in terms of a mandatory vaccine that is a hotly contested topic as you might guess uh there are people on both sides of that fence um advocating in Albany as we speak and that's been going on probably for months so yes that is something

028we hear I I don't I don't know what will come up that John Jamie are we in clear now with only what eight actual days to break because he won't be doing new designation between now and Tuesday so and then what happens once the break hits if there's a change while school's not in session are we not subject to those rules because we're not in session honestly that been running through my mind all day long uh so the next designation will be Monday of next week and so we're here school is technically in session Monday through Wednesday my assumption is if we're designated The Zone on Monday of next week that when we come out of break uh January 4th that's when we'll have to start the testing protocol uh but we'll need we'll need

029to get our um we'll need to get clarity on that that is a great question I've been wondering the same thing anybody else oh Julianne um I just wanted to ask about the the testing protocol you mentioned the the families and staff will be able to opt in or opt out and then you mentioned um taking 20% of the people who opt in and I'm just wondering does that put us at actually below 20% technically or do we need to have a slightly higher percentage of the people who opt in depending on how many people op in in order to be at that 20% level thank you I must I didn't state that clearly enough but my apologies So 20% of our impers students and staff is about 650 to 700 and so of the

030people who opt in we need to find 700 uh people to be tested which would be the overall 20% of our in-person folks so it wouldn't be 20% of the people who opt in it would be the equivalent of 20% yep 7 we need 700 of people anybody else okay thank you Jamie y okay uh Carlin hi hi so just a few things for the students there's not much going on we're doing as much as we can with what we can do uh we just did a food drive um we actually made it a competition uh gray cohort versus Cherry cohort to who could get like the most number of items and we actually tied at 144 each cohort so that was really funny because we had to count it twice and like wait did

031we tie and so we did so we had 288 cans that and items of food that we donated right before Thanksgiving um that was a lot of fun we're doing a Toys for Tots thing right now um we have boxes in the school and people are allowed to drop gifts in um another reminder of the prison concert that's I think this week the end of this week is when they're doing that um also at the end of this week we're doing a um holiday drive-thru light parade it's a different kind of thing they're doing it in the Bus Loop so different um clubs and teams and things like that are doing light displays for like holiday Christmas whatever they want to do to support their club or whatever and that's going to be be the

03218th and the 19th from 6:00 to 8:00 p.m. so those two different days and they're going to have a lot of fun there's going to be a Santa Claus and they're doing donations for a charity I think the charity I think we talked about it today I think they're doing they're donating all the donations to um a children children's hospital so we're doing that um Spirit week's also this week so people are dressing up I know tomorrow is white out day and then there's flannel day on the off day for people who want to be in their PJs and yeah so there's a lot of fun and uh as of right now the National Honor Society on National Honor Society inductions are planned to happen on January 21st virtually um but that may change because

033they said they're still trying to work things out but right now that's the date that they have for that so anyone who's curious about those that's when they're planning on doing it but yeah other than that we've been doing pretty good good true perfect thank you very much uh let's see we have minutes up for approval I'll ask for motions please Milton and Michelle questions or comments all in favor opposed that carries unanimously Deb and warrant Jen Andor Beth motions please I move to approve Jen's first Ben Beth second questions or comments all can can I just add I just need to give a shout out to Matt fit you did a I called him today and said I'm I'm busted because I just looked at these but they have done a great job they

034look different they're much quicker to read they give all of the like when you when a um a person actually gets money back it tells exactly what the reason is over on the side they're they're just they're they're wonderful to read and it's much faster and I felt like I knew there was not a way in the world I was going to come up with a question so it was good thank you great thanks Beth uh questions or comments all in favor a post that carries unanimously too uh who's presenting the presentation Brian thank you all right I'm gonna share my screen did that come through yes okay all right Mike did a great job of uh you know putting together a presentation that really talks about uh how we take care of our facilities

035uh you know all that goes into it from our building condition survey to the capital outlay projects to you know our larger Capital Improvement projects to the work that is done by you know by our folks our custodial maintenance crew um and and work you know that still needs to be done so I'm GNA go ahead and turn it over to Mike thanks Brian Cheryl I hope you're not yawning because I'm starting the presentation um so back in '89 um on the first slide there in ' 89 there was a cafeteria outside of Albany that a wall had collapsed and uh State education department set forth that visual inspections on structural had to be done uh yearly and then when that started rolling they decided to make it to where every 5 years it had

036to be completed by an architectural service and uh as things moved along with trying to as you could imagine do all of these School District in a one-year period it became pretty difficult for SD to even get through the paperwork so they went to a staggered uh system and uh in 2018 and 19 they notified the school districts that uh they would be staggering out and they were districts were chosen uh that had to be done by an architectural service this year based on what their past performance was as far as uh if the buildings were in need of uh disrepair what they had going on Canada was you know we pride oursel on our district and our buildings and uh we we did pretty well and um we had to just do a visual

037inspection this year with Steiner myself Brian was along and so was veren and those documents have all been filed with s and uh in 2022 will be our next time that the uh survey will have to be completed by our architectural company and we'll get that turned in um the information from those visual inspections and uh architectural inspections give us data or give us information to drive our Capital Improvement projects the yearly capit laa projects um and cash projects if we need to uh to put everything where we need to be and if anybody has any questions please give a shout out as I'm going along I don't want you to forget or you have to go back you can interrupt me anytime um this year we're doing the uh Elementary School the window balance

038in the windows are very difficult for anybody to open down there from the weight of the windows so we're rebalancing all those windows and then we're uh actually constructing a central receiving Barn up here at the Operation Center uh 18 wheelers have a really difficult time getting into the buildings to unload any orders and uh we also want to have a central warehouse for all supplies have it computer generated and uh better means of tracking everything we have and um the past uh cap o project we did the fire suppression pump at the middle school that actually protects the stage and Auditorium and we we as a school district uh the custodial maintenance SK took in uh helped with that project and then in 2018 2019 you can see we did the pool locker rooms

039updated those new lock new paint new lighting and then in 1718 we did the girls uh locker room um strange thing that c where colors are cherry and gray but we had rusted yellow Lockers in that area and uh we brought it up to school colors and really did a bang up job there and then the current project is pretty pretty intense pretty uh pretty heavy loaded with stuff PE complex will get a complete makeover um we'll update that building and you can see here all the items that'll be done the uh main focus that I have is the all of the heating HVAC upgrades um those boilers uh that equipment is pretty outdated and uh part of that will be a huge huge uh Energy Efficiency part once this new equipment is in so

040for years to come that'll be a big benefit to candid with District especially with the trying times with budgets and where we're at uh which is huge district office items we have the uh electrical distribution which is way outdated that is original to the building um not sure if John palamini went to kindergarten there at the time um no um but it's still I I know I did that's why I can identify with it but so that's that in definite need of repair the brick pointing on the outside we have a little salt damage from uh the erosion of the brick that type of thing and the building really other than work we've done oursel for a little bit here and there uh really has not been touched and then at the Operation Center we

041have the bus wash which is pictured that is continually breaking down um we're holding it together the best we can um but that that'll be huge Improvement for that and then at the CAC we have uh some items like Windows parking lot renovation if anybody's everever gone through that parking lot you probably need a front end alignment after you pull out of there it's kind of rough shape but huge Improvement uh future projects will continue to identify Capital eight projects annually uh that's you know um it's a huge benefit to the district we uh we get a big bang uh for the money they're uh doing those smaller projects and you just Whittle away at uh the needed items for 2023 we'll prepare for a 2025 Capital Improvement project um with extensive work hopefully at

042the middle school you never know when you start talking about these things where you're going to be four or five years later with other needs that may arise but that's uh hopefully we can get into that midal school and get some of that 1960s stle changed over and do some uh nice uh upgrades there and then um with the hope that we'll continue every five years to look at these capital projects and make those improvements and keep the uh energy benefits going um and go from there throughout all of this uh we still have a lot of work that is completed by our own crew um the primary Library this year was a huge huge item we didn't we did not think that we could get it done through the capital project so we took

043that project on and a couple guys did it this past summer um it it looks absolutely beautiful um The Librarian in there has a great mindset for what she wanted uh gave us some pictures and the guys uh really did a great job we did a lot of concrete work throughout the district drainage structures that type of thing this year and then um at the base movie Elementary we installed the crack to stop some under ground water that was pushing through the walls down there and then uh we did some snowfence work in the pond at the high school that had to be infilled and graded off that hill and uh we drainage work in South uh South fields and box across field work and we're still working up there at the high school evansfield

044we did some concrete work uh the dugouts were uh in need it's been a long time and uh we got those taken care of we did uh so far 108 rooms that number actually has increased in the past few weeks with Promethean board installs we continue to work on these every weekend uh and uh during the week now that we kind of have some free time on Wednesdays we can do that we did a LED lighting to the exterior the primary Elementary complex which was badly needed and then um we prepared the site to the new Central receiving Barn we've been working on some drywall over the district office as we can exterior doors at the Middle School auditorium were replaced this year and then uh like I said earlier the crew worked on the

045fire pump up there also at the middle school and we still continue with boards we have the primary school just about complete we'll be coming down through the link in the next few weeks working over to the elementary and then we'll finish at the high school uh we still are working on concrete anywhere we need to add it repair sidewalks uh the district office drywall help Des tickets were we're well over about 1,200 since September and we continue to work on those daily uh we help with the capital projects as needed um and continue to identify needs for improvement so we're we're rting about daily great job Mike thank you the the degree of expertise in your crew is absolutely remarkable I mean beyond the work ethic which is what's also remarkable but the expertise

046is incredible you didn't even mention the woodwork that your crew does that's just gorgeous so really well done really well done thank you and please thank everybody for us yeah Canada was very unique um I've really been privileged to have that and build that along group the whole crew is just amazing the electrical work the knowledge and there's really nothing uh I can ask of them that they will not try to accomplish or make it happen so yeah nice thank you thank you Ryan anything else no you know I just Echo you know what you said jeie and what Mike mentioned in that you know we're we're a unique District in our in our means to be able to you know do all that we can do and especially in some of the specialy trades

047uh that most districts would be contracting work out uh you know we're able to take care of right away and get things done awesome thank you thanks all right on with our agenda then we have a consensus agenda and supplementals I think I'll take the two roll call votes first so I'm going to ask for motions on the first roll call Vol which is roll call vote which is around storage facility and the general contracts all for motions please I've got Jen and Michelle questions or comments before Deb calls the vote okay Deb whenever you're ready please Mrs Burks she yes Mr Johnson yes Mrs Mrs Miller yes Mrs Pedic yes Mrs personali yes Mr palamini yes Dr Schneider yes Mrs Thomas yes yes Mrs Graham yes thank you great thanks Deb and the second

048roll call is also storage facility but the mechanical contracts I'll ask for motions on this one please Cheryl and Milton questions or comments before Deb calls the role okay Deb whenever you're ready please Mrs Burks yes Mr Johnson yes Mr Mrs Miller yes Mrs pic yes Mrs person Al yes Mr palamini yes Dr Schneider yes Mrs Thomas yes and Mrs grm yes thank you great thank you Deb okay then we'll take the consensus agenda and the supplementals uh and I'll ask motions on those please Beth and Megan questions or comments all in favor opposed that carries Deb thank thank you uh let's see we have a draft budget calendar um I'd love to take motions and do approvals on this and the guidelines tonight um for you Julian with this being your first time these

049are we can change these as we go along um so you know don't worry that we've set anything in stone the calendar will likely change at some point um and we can always amend the guidelines if anyone feels so inclined so if everyone is okay I'll ask for motions on the calendar first please Megan and Cheryl questions or comments all in favor opposed that cares unanimously Deb and I'll ask for the same on the guidelines please motions Milton and Jen questions or comments all in favor opposed that carries two thank you very much everybody um Michelle audit please okay audit so um Tom Zuber joined us 700 a.m. had a suit and tie on even though we were his only meeting of the day we told him going forward that he did not have to

050do that um we reviewed two audits the 201920 um title one single audit which looks at state and federal grants no findings great work we also looked at the extra classroom um club's audit um the the comment on that is the accounting has really improved there's still a lot of money that gets funneled through those those accounts but um because of a lot of the training and things we've done we we're in pretty good shape even now despite a remote environment and maybe trying to get signatures and things that we need um it was overall a good audit so um that was the fun part of the meeting then we moved to Matt Fitch's long-term planning piece where he really ran us through three different scenarios one scenario where state aid comes in another scenario

051where we have a 20% reduction in Foundation Aid and then a third scenario where we had a 20% overall reduction in all state aid which is not where we want to be the bottom line is we need Aid we you know we need it would be really helpful for us to be able to get some money in here and the unknown is the really really tough part so Props to Matt and his team for working through these scenarios that as soon as you put them on paper as we know is is no longer probably accurate with the way things change um the tax cap is likely going to be low next year so we're going to have to start preparing for that but I know the good news is we're in good hands with Matt

052um the committee approved the senior citizen and disability exemptions the levels are the same we're we one of the districts that still provides those so we approved those and lastly tax collection um just amazingly is still at similar levels to previous year so despite every everything going on with some economic hardship people are still paying their tax bills which we will take as a win any day um Matt how' I do I think you got it all Michelle thank you I neglected to um to comment on Sarah's resignation which I know she shared with the audit committee too um we just bid her the fondest farewell she's done great work for the district um and we're sorry to lose her but what a great opportunity that she has found so we're excited for you Sarah

053if you're watching and if not please pass along our congratulations to her Matt thank you Michelle yeah thank you Jeanie yep uh cie who I a quick question to Matt though yeah mat do you know offand what percentage of our tax payments come through an escrow through a lender payment and what are our individual payments I would have to look that up John um I want to say escrow is around 60% but I'm I'm not confident in that number thank you any other questions okay uh cie please I can do it unless Jen wants to wrestle for it no thumb war no so we met we met last week and then we went over the instructional update that that Matt um shogi's been sending out since the closure and we reviewed sort of what it

054is and what the information contained there in and and could we improve it and so we broke up or Matt broke us up into into small groups um and we sort of reviewed it and gave some feedback so Matt's going to collect that and then distribute that back out to the to the committee committee also reviewed uh some of the input from a um I don't know what to call it grants for excellence I guess is what it is and so we reviewed reviewed the input from there um it was approved and so we had a chance to look at some of the response back on that grant for excellence which um involves a garden so which would be fun and then um Katie McFarland gave us an update on on profession development great thank

055you uh Julianne diversity Equity inclusion please sure um we met last week um we moved started to move Beyond really looking at the mission and purpose of the committee to delve into a few specific tasks um we divided up into three groups during the meeting one group reviewed some sample language that's come out from nisba around a diversity equity and inclusion policy and started looking at that language one group looked at different professional development opportunities around diversity and equity and inclusion and um anti-racist education that have come out from different sources a lot of us did the 21-day um rock Equity Challenge and that professional development opportunity so we looked at that one a few others that came have come out of different districts different cities across the United States to think about what we

056can do with the adults within our school Community um teachers and staff as we think about a lot of this really coming from the adults um in the district and then another group started to look at the diversity plans of different districts in New York state what other districts are doing around this issue um and that group got into a really interesting conversation about sort of the difference between plans on paper and what can look really good and plans in reality and work that's being done on the ground and just making sure that that we're aware that those don't always look exactly the same and that we focus certainly on creating a meaningful document but that we're also always thinking about implementation and going A Step Beyond simply the creation of a plan we're meeting

057again this coming Monday and hearing from graduates of canona who would like to share their experiences and their stories with us um who have gone on to really different paths in in their lives post their time at the Academy um they are interested in working with students but they're also going to be speaking to our committee about their experiences fantastic great thank you very much and and Jen covid-19 update well in any other quarters uh this would be a strange statement but it really is a highlight of my week they get a chance to talk to Ryan Vern and Mike um they are really terrific um this week's meeting centered on um The Zone designations and some of the work that's going on there and the sheer amount of work and detail that the committee

058in particular Vern has to track down every day and the hours and hours that he spends on it if you run into that man give him a h distance high five for that please um the other thing that we have in the back of our minds when that team gets a moment which is not a small thing to say is to get back to some more CO2 and humidity uh baselining uh as we are definitely now in Colder Weather with people wanting to leave uh windows closed it's going to be really critical to keep an eye on that uh as you know when humidity drops and and CO2 Rises as people are in a space there's more opportunity for uh transmission of the virus maybe not um you know between some of the students in

059the district but between some of the adults so um but I have to come back to I'm I'm really happy to spend the end of my week with the Dream Team so thank you great thank you Jen Jamie do you have anything else Janie I have audit oh I'm sorry I have policy that's I do duh um can I go ahead yes please okay so I'm bringing to you this week um policy 3390 it's a new policy it's required of the district um John I thought about you often with it because it is 98% law and we have tried really hard not to do policies that are law it is required of our district so with that in mind on Beal of the committee I would like to make a motion to wave the first

060reading um and I think that has to be a separate vote right Jimmy yep so you'll have to make the first motion and we'll need a second on that to wave a second reading so I'll ask for a second on that please do we because it's from the from the committee you could we wave the second vote when you're passing a policy but not when you're trying to circumvent the second reading so Beth is the first I need a second please Michelle questions or comments all in favor okay so now um Beth on behalf of the committee i w to um make a motion to um make have a second reading and make policy 3390 the data security and privacy part of our policies okay so that does not need a second uh questions or

061comments all in favor perfect thank you did I miss thank you thank you sorry to to jump over that did I miss anything or anyone else Jamie did you have anything I believe this is our last meeting before the new year so I just want to wish everybody a happy holidays and a safe enjoyable New Year and we'll see you in the new year put 2020 behind us thanks for all do keep your eyes on the prize we want everybody back in school safely um so and please take very good care of yourselves thanks I'll ask for a motion to ad Michelle and Jen great good night everybody happy holidays everybody you too happy holidays holiday holidays
