so uh session uh please join us as mr marcus badly is okay that brings us right to the superintendent's report and board of education goals okay i am very pleased to present uh the board of education goals for the 23-23 school year um as we do every year out of the board of education and i had a retreat um where we spend a little time on some some team building group norm activities and then do some discussions on our board of education goals for the upcoming school year um essentially we do a review as we have in the past usually in the spring about um the status of our goals and the september meeting um at the late where you can see we've already meeting at the latest september meeting we present our goals to
the community and then these get disseminated to staff to administration and um more prominently on our website so i will begin by talking about the format we follow home that is recommended by the new york state school board association and those are smart goals it is a systematic way to develop goals um so that it's very clear about what we would like to accomplish how we are going to go about accomplishing them so this is the smartphone format um specific measurable achievable rather than and certainly tying down um so that we understand when these uh the overarching goals uh the big goals basically all under five different larger buckets um and the five buckets include the 21st century learning environments fiscal and educational solvency uh students as self-directed learners communication community engagement and social emotional
learning diversity equity and inclusion and sense of under there we drilled them into more specific administrative roles as the 21st century learning environment goes you know last year um and in previous years our goal in 21st century learning environments was to basically a lot of it was technology driven to achieve the one-to-one initiative and i'm very very pleased to say um that with new smart panels and one-to-one devices in the hands of ourselves and our students we are in a very good place with technology so instead we are now kind of pivoting on that and looking at how are we designing learning environments to make the most effective uses of our spaces for our students so some of the goals are really now driven more toward redesign of space the the first subfolder will be
creating efficiencies and exploring alternative methods you can see all of the lighting in the in the all of our facilities are now upgraded um they have like sensors on them when you walk into rooms so that you can conserve energy or energy performance contract even the restructure of this room um you'll notice that the four front lights are now off as opposed to two sidelights because they were able to upgrade the livestream to report that so we are very pleased i was very pleased to see that today when i came in for presentation but we are also one of one of the things the little things maybe happen but that certainly is something that we uh didn't make sense one of the things that is a state requirement we are no longer required to uh
many of the requirements undercovered uh no longer exist i sent a letter out to the community today um but one of the things that is important and we needed to include it in our emergency plans is to include a remote instruction plan so in the event of an emergency if we need to pivot to remote construction um that is something that we need to make sure that we have um quick availability to do so um obviously when you purchase laptops for every student within every teacher and we have all the small technology it becomes uh imperative that you create a plan for sustainability so we are making sure that we've got replacement plans in place for all of our technology and we can ensure the sustainability and electrical resources so that's what it was as
i talked a little bit about we're very pleased to see the libraries and eventually they're taking place um reinvesting in those spaces to make sure that they look cleaner and are more usable for for our students especially now that we are more portable with the um with the laptops for teachers and students um we are excited um you know one of the things that we know that we've seen is a tremendous increase in mental health needs of our students and support for our students one of the things that we believe absolutely makes a difference is this idea of the culture of care we did add assistant principles to the high school and we have restructured the administrative we believe that this could be a game-changer in terms of some of the things we can do
in our secondary campus so that we can ensure that there is a greater feel towards this ideal culture of care this also will lead into our last goal five on social emotional schools in terms of fiscal education we clearly are dedicated to providing and ensuring that we have a deep level of physical health and that we are looking at into the future um you know years years ago prior to my arrival plug-in was long drive we didn't have long-term financial planning um this year and we do update our four-year financial plan and make sure that we are looking into the future most recently we have had some federal funding come into our district but that funding is not forever it's not for the money and we do need to make a plan that anything we
put in place with federal funding we are able to sustain beyond the scope of that so that is now part of our financial planning and the only way you can do that is if you know what those costs are you can project out and have a longer term financial plan we have been very successful um with our capital outlay planning capital outlook planning's on smaller projects that are up to a hundred thousand dollars we spend um really cost us about 30 000 60 back so it's very smart physical planning to include these projects um and we certainly are doing that we're gonna do some bathrooms for the high school uh once the plans come back from um say that um one of the things you've been talking about for over a year now is this
idea of a capital bond um and we are hoping to set a timeline and definitive plan for a capital bond vote um that would be we're hoping for october 23rd so certainly is something that i'm going to encourage the community to join our capital bond committee because we really need community input on all of the aspects of planning for capital bond including conflicts we have a district reserve plan last year very thankful that the community was supported the idea of creating a capital reserve fund now that we have a capital reserve fund it's important that we we are making sure that we can contribute to that capital fund a capital reserve is a fund that is sort of like a savings account for a school district or a municipality that allows us to invest in
our infrastructure so um this year we will be putting money into our capital reserve that this is money that in order to spend the money we do need to go to our community and our community has to authorize the spending um so that but that's a great plan to be able to support our facilities and make sure that they keep them in good shape students itself where i can learn this clearly is something that is a focus for us we are this year we are looking forward to closing the loop on our ib continuum we are planning on applying for authorization for the primary years program at elementary school and that would put us as sadness as potentially the first k-12 fully international baccalaureate district in the state which would be just i think outstanding
um and would speak to our commitment to excellence in education and the kind of education that i think students can benefit tremendously from um so that is uh clearly a major problem for us but also focus focusing on this idea of individualizing education and looking at looking at our students not just as a cohort of kids but looking at our students and not just as a man scoring ela but also as a whole child utilizing data from um social emotional supports the pair assessment department for education resilience um those kinds of things are things that are really helping us to really zone on our students promote opportunities for all of our students that are appropriate for that and make sure that they achieve we also are looking to answer resource concerns for our counselors and
we've had conversations last spring our counselors came in and did a fantastic presentation about all the wonderful things they're doing to support we want to continue the momentum in the counseling department to ensure that we are promoting those kinds of opportunities allowing students to be heard at earlier ages to understand what the college of career readiness looks like and how they they're prepared and how they can retain the college degree post in high school so lots of good things happening there communication and community agent you know we have you know one of the most you know such a such a proud deep-rooted community um and we are very much connected to it especially with our involvement in the international baccalaureate program our middle years program those community projects that are outreach um our diploma program
candidates uh we have a csip program we are committed to to doing uh staying on top of these really top programs one of the things that the state has now offered and will be offering for the first time this year is the seal of set of readiness because of the things we do because of some of the our cset program because of our involvement in international background we have a news literacy program that we're starting to teach students about news literacy and how to be mindful consumers of information all these kinds of things will allow all of our high school seniors actually to be eligible for the sales of accreditation which is really something that's really wonderful and new coming from the state um i think that when we get this word out there and
we continue to work with our community we have lots of community partnerships um schools and community partnerships that i think should you know really if we can utilize our social media get that word out there and work within our community i really want to enhance this and highlight those positive accomplishments um last year we also contracted with the new york state school board association to take a look at our policy when you look at our policy work sometimes it's very difficult to find precisely where a policy might be that's because many of the policies instead of following a standard numbered format go back many years prior to that standardization and so we feel it's proven for us to go through a complete policy review and make sure all of our policies are compliant with number
one regulations regulations and what's necessary but number two updated to the 2022 you know severance community and really you know what our community stands for um enhancing student connections with the community again that goes back to this idea of csip this idea of community community projects humiliating program all those kinds of things and connecting with uh those local businesses to establish partnerships this year another thing um in speaking with our pto um and our red devil pride club one of the things that came out was some of the presentations we do at board meetings they enjoyed them but they didn't feel like they were widely seen enough and they asked that maybe we could do some of these for them and we have a list of parent academy presentations that we'd like to present to
our community so we will be working with the red devil pride club we'll be working with the pto to kind of hash out and say what are the things that are most important for our communities i think that the first presentation will be a presentation about social emotional supports and mental health problems and that presentation will take place tuesday after columbus day and that presentation uh will be about uh mental health two world medical health day is actually on columbus day this year um so tuesday after we will be doing um a presentation to the community on mental health needs of kids and some of the things that we're doing to establish the cultural campus and which is schools so look forward to really getting that into the community and making some presentations that it
can be impactful for parents and community um and then we have our focus on you know and i think you hear common videos here when i talk about social emotional learning diversity you've already heard that in all the other goals because they bleed through it's a lot of stuff just teenage pressures impact students and they impact them in ways that really uh sometimes can be detrimental to their own mental health and more involved so we are we're making sure that we're placing that as a priority um that ricardo soto has worked very diligently with our diversity equity inclusion committee um to develop an equity and education plan that we're very very proud of and we think that that is going to be a game changer for for many students who maybe you know as much
as unintended consequences of not feeling as welcome or what have you we want every student to feel like they are an integral part of our school community um so i think that that equity in education bank thank you for that work um and we look forward to making sure that um that is here um and that's some more professional development we have done a lot of professional development with a focus on diverse economy and inclusion and so that is something that all of our staff is aware of as well as this idea of supporting social emotional learning and the culture of care in the field you know last year we had i think upwards of 200 staff members trained in menthol first aid that's fantastic that's really like you know on the front lines really
recognizing warning signs for students to make sure that if if there's something troubling for a student that we get information and we get them the supports that they need so all these are these are the five goals and some of the sub goals and then you know if you open up the document it's on the website this is an overview you can actually drill into those goals and see some of the wonderful things we're doing to accomplish them um clearly when we talk about being invisible presence we do have a social media presence in all of our buildings so you can take a look at these things we ask that you follow us again if you follow um cm schools underscore super you do get inside information on things like snow days or anybody else
shane would love to get you to follow me but please follow us on subscribe any questions on those i just want to thank the board of education for their support and for you know really making i think keeping what's most important most important um and so kudos to you all for your hard work and thank this job but doing wonderful work so thank you well we want to thank you and your team for your work as well ron and i think we had some really positive collaboration on it and as you said earlier we talk about the goals quite a bit and every year we have a retreat so we spent uh two three hours i guess parsing through these and updating them where needed and adjusting them so we do appreciate everybody's hard work
thank you safety plan yes so i'm just going to kind of do a recap if you recall back in june uh dr sarah and i did a lengthy presentation on school safety some analysis that we had over the past couple years some proposals for the new school year our safety plan district-wide safety plan is complete we do update it annually it's posted up on the district's website website for public viewing and commentary each year the board does adopt the plan and we do submit it to suv as required by law the district safety team is appointed by the board and meetings are held throughout the school year so just a little change in language though that you're going to start seeing it's called a safety team it has always been called the emergency preparedness committee
in conversation so this year we hired uh through boces in the budget a health and safety consultant um and one of our first meetings with them we get an individual from boces to come and assist us in the area of buildings and grounds health and safety once a month so in our first meeting we had found out that we had this committee labeled wrong as well as this team so going forward we are the safety team by law that is what it should be called so you'll see that transition on the website the emergency preparedness committee is labeled as the safety committee with parentheses formerly known as just so people can help us help learn in that transition of just titles really to make sure that we're in compliance so safety team members we also
found out need to be appointed every year um these are the main ctt members for the district each building that has their own safety teams within their own emergency plan that would be build more building level specific uh so these are the members proposed for this evening's uh appointments uh dr masara myself uh mrs rayborne representing the board we have each of our building principals our senior security guard shawn spiller the director of health pe athletics and campus safety as well as officer hayden heidi cummings who is our district sro and chief schilling from the sun merchant's fire department so they're all members of the safety team our emergency um former emergency prep committees are now safety committees um they are open to the public the public ones that we hold the building levels will
continue to hold their own meetings the tables have some exercises which are then confidential those are not open to the public but when we start talking throughout scope and looking to implement certain changes those are public committees that anybody can attend and those committee dates are on the school calendar if anybody's interested so just some of the things that the district-wide safety plan goes over it talks a these are all the different categories within it risk reduction prevention and intervention um we talk about how we identify a specific hazard the drills and training that we do what do we do to notify parents our community or the police how do we respond to different things then the operational guidance is the initial response to it the prime emergency situations the chain of command system and
also the national terrorism advisory system that we are all taking part with we also are required to run safety drills every year um we do eight evacuation drills four lockdown drills and two summer school drills every single year of which most of half of the drills have got to be done prior to december end of december we are in compliance with all of our drills in addition we do do bus drills as well the students are educated on the procedures usually in that first row then at the start of the school year we do announce when they are happening as we progress through the educational process they become unannounced drills um the sros tend to take part in our lockdown drills so that they can evaluate and assist us in what we're doing what are
we doing right what we have changed what are the police looking for um and we try to do them at different times of the day most uh we'll do them during class time because it's the easiest time however a lot of incidents do take place when we are not in class when we are changing periods the launch the cafeterias the gymnasiums out on the playground so we do practice them in all those different environments so that the staff and students are ready in the in the event of an emergency so back in june we also talked about security personnel and potential changes that we were looking at going into this new school year decisions have been made so we are keeping our armed guards in each building they are contracted through maximum security their contract
is on the agenda this evening for renewal all of those members are active suffolk police members you most of them are in the local precinct um and a lot of community members as well and then in our buildings we are staying in-house for building security if you remember in june we have talked about contracting out for that as well or staying in-house we've decided to stay in-house we've been able to secure additional guards to assist with the staffing shortage we were seeing last year um we did decide to go with a senior guard which will be mr sean spiller he will be taking over uh or has as of july taking over that whole program uh mr food is overseeing them under my oversight as well so we've added a few more layers um in
the area of security oversight clayton hume will have three full-time guards this year they've always had two we've added an additional guard most in part due to the universal pre-k grant we've received additional funding in that area that we were able to allocate to this so that we can have a full-time guard in clayton huey being that we now do have different drop-off times the scope program they do not arrive or dismiss at the same time as the regular elementary so adding that additional guard will be a big help in that building middle school a full-time guard high school has two full-time guards um and then in the evening we have one guard that rolls all the buildings and then we do have guards based on events that are happening athletic events after school events
if there's club things going on off campus we need to send additional guards to some athletic events we do that as well so like i said building level emergency response plans are also developed in addition to the district-wide plan those are confidential in nature they are not shared they're not posted on the website they were only shared with the staff members and that gets done on superintendent's conference day at the start of each year it is reviewed with all so that they know all the different evacuation routes what to do with specific emergencies who they need to contact phone numbers are in there um we do share them though like i mentioned with the state education department as well as with suffolk police we have a contract with suffolk police should an emergency occur and
they are called to respond they do have access to all of our cameras in those instances um so we have an ima an intermediate municipal agreement with them in order to do that and again that is only the events of emergency that they would access our cameras so the safety plan is posted online it is to be adopted this evening by the board so we can submit it to state prior to september 1st under deadline but it is always being reviewed like i said the safety committee is reviewing those plans and we're making modifications um we keep it open for compensation anybody that has questions on it can reach me by email my information is up there um and i'm happy to answer any questions anybody might have seen lord have any questions on safety
thank you okay um i'll just kind of continue on um earlier today um a letter was sent to the royal families um and it basically is just sort of a summary of the recent guidance that came out of the um you know it was kind of we got this announcement last week that said you know we're a week and a half ago that's the week of the 22nd uh the week of the 22nd we would be getting guidance on school building and it was kind that friday going into a weekend you know guidance would drop at 4 o'clock in the weekend we would spend the weekend trying to figure out what it all meant but very pleased to say that the joint letter from commissioner rosa and dr bassett from new york state department of
health indicated that we are opening i would say about 95 normal which is really good news for us that doesn't mean that we're dismissive of the equivalent as a threat you know in our society but it does mean that we have the ability to open uh more than all that we have in the previous several years so it provides opportunity for us to get back to some great things that we were doing and i think that you know if you have any questions please contact you know building level administration clearly there are i think the letter pretty much sums up everything um but if there are any questions i'm happy to to speak to from community members at any time they can call me in the office moving so it's treated as as a regular
absence um in terms of you know and again that's that's basically um pretty standard in terms of uh you know if you get flu you're out if you get something you know you could be out for a couple days in most situations you wouldn't miss five days of instruction but that would be the risk if you test the positive on a uh on a sunday you wouldn't miss five days of construction um so we will be working with our jesus teachers association to make sure that they're putting the appropriate supports in place to carry instruments and that comes absolute wise as like a regular absolutely your mandate you keep calm correct they're regular absences excused absences and again i think with longer quarantines and things like that lower isolation periods i think it was incumbent
upon us to make sure that we were doing anything for youtube um but at this time i think we're ready to move on to more normalcy clearly any long-term absences we still will follow protocols um any kind of a doctor's note you know for a longer term absence allows us to provide homeless structural skills as well okay um now just moving on we're we're also excited um i want to thank ms barr for her work um you know putting together you know you know really you know being diligent about making sure that our committees are really well publicized um and are or regardless but that it's very clear when the communities are meeting what the function of the committees are so a lot of work went into making sure that that those were very prominently
displayed on our website so we do have several working committees that i think do outstanding work for our community people as chairs we have a curriculum committee dei committee safety emergency preparedness committee formally health and safety performance facilities committee a legislative committee a technology manager and so you know encourage community members we generally have board representation on these committees and we will be determining which program is really similar to these communities but we encourage community members to join us other than these committees i did mention earlier that we will be forming a bond advisory committee because we are again looking towards putting out the capital based on aging facilities and infrastructure that you know some serious workforce can be addressed any questions but otherwise just really looking forward to a wonderful event we had an
opportunity today to have our final administrative retreat day um and we did some work um you know a lot of good work some work um in terms of uh building integrated reliability applications and things like that with the facilitator but we also had an opportunity to be with you know something prominent in inquiry-based and project-based learning trevor mckenzie spent a half hour with us talking about plans for not just the upcoming superintendent's conference today but he will join us in november um so we're really excited to welcome trevor mckenzie november uh to be on site working with us uh and doing some great work so that was a that was a really uh i think a really great day so um i want to thank uh dr maya for you know her efforts to put
that together and uh a lot of good excitement and government we'll get that [Music] recommended action that upon the recommendation the superintendent of school the board of education approved the 10-year appointment following individuals carried off with motion second second discussion so i would uh i would just chime in um i i've had the pleasure of working since i got here um i had no character reputation prior to the writing and um you know my superintendent colleagues one in particular that she had worked with previously said well you know one thing i can tell you is you've got a real general business office um and that has proven to be the case and working with kerry um has been sure there and never felt that i've always felt that firstly were in good hands and that
there was not you know there was nothing to worry about with that regard um every time before our orders we always always have a very clear report because of her diligence um but not only that you know when i talk about you know kerry coming in and having the foresight to say that you know it's not just working on a day-to-day basis it's cleaning up procedures it's making sure the business office is running efficiently it's it's making sure that we're not thinking about hey look let's number one let's spend it and then two years from now we'll be in trouble it's looking out long term to say how can we maintain fiscal sustainability for our district so that we can do the great things we need to do so all of those things you know
um putting together um a reserve plan that previously didn't exist here so that we are really cognizant of how our reserves should be funding what are we doing to ensure that they're funded appropriately and what monies are available when emergencies come up when you know the you know the society falls off of clayton hewitt elementary school um it doesn't take very long to figure out how we're going to go about addressing you know addressing that making sure and everything else that sometimes takes a little longer but clearly um you know terry is something that i remind on a daily basis and she said it's a pleasure to work with so i absolutely uh wholeheartedly recommend characters and then at the board of education uh i think many of us were here with kerry work was
hired originally so we worked with her for the duration so far for employment here and we've been very pleased as well as the board of education so this is i think kind of an easy one for us caviar i would say is previous to kerry there is more cake congratulations kerry [Music] many more years so congratulations [Applause] approval of minutes the board of events has to accept minutes following meetings is prepared by the district clark commission the reorganization meeting of the board of event of july 6 2022 minutes of the regular meeting of the board of education on july 6 2022 minutes of emergency unscheduled meeting of the board of education on july 22 minutes of executive session meeting august 11th 2022. ocean second house discussion all in favor yes motion carries financial reports be

phone on their person in the event that some however it's just the fact that it's on their person or on their desks studies show it's it's playing a game in their minds and wrecking concentration and just a teacher i see it i've seen it over the years and i just think that's a very important thing to play it's on your and you'll be happy to know that we're taking a much more um you know proactive approach in keeping cell phones out of the classrooms discipline on the other things um deadlines on phones there's just been an easing up of policies and things and i just hope that we can bring it back in and i hear my fellow teachers say it all the time too like we've kind of now made this space and how
we get it back i think it's part of part of the conversation i think we have today as an administrative team is the idea of changing culture and bringing back more accountability okay we hear you thank you um so it's part of the capital outlay project 100 000 project that was in the budget um the plans have been submitted to state education department we're waiting on approval from them for permits once we have permits we can then bid it and get pricing to see if we can do all three i did meet with a contractor earlier this week that is on in national bid that usually comes in uh much lower than regular bidding out or some other contracts they are actually the vendor that just did the water fountains and the exhaust fans over
clayton huey um so in conversation we're trying to start get getting a little bit of ahead of the work but we really can't do anything to not have those permits so capital outlay projects they do review a lot quicker because they're mostly very simple projects just waiting on sedate they did hire another project manager we have been assigned that new project manager so there's three people up there now and i know they're training at least one more uh whether it's one or two more but i know they are training one more manager as well so we should start seeing a lot of our projects rolling because not only that is up at us uh scba but the facade of work and clayton huey is also there um pending approval so that we can get that
but our goal is to try to get that done in the fall before the cold weather hits because then if we don't we have to wait till the spring so that the cement and everything could cure properly okay motion to adjourn motion uh the next quarterback meeting is wednesday september 14th 22. what a committee meeting an executive six o'clock action meeting will be approximately seven o'clock right here at the border bedroom thank you very much for coming today congratulations again have a good night sorry you know what i practiced
