M the agenda okay welcome to the nov9th Board of Education meeting can stand for the pledge please pledge to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible liberty and justice for all okay first item of business is the acceptance of the agenda can I get a motion for that please Mike second any discussions on the agenda all in favor I any oppos agenda is accepted next order of business is the consent agenda can I get a motion second any discussion on the consent to I'll draw your attention um to item Six B tor's not here tonight so we'll get to that we'll simply table that to the next meeting that's something that uh you know we need toor here for because she's
gonna but no I was gonna say I wanted you to finish your V just consent agenda yeah we need her her input on that I'm just happy to see thank you that okay any other questions on the consent agenda those in favor I any oppos consent agenda is approved public comments any members of the public uh want to comment any three of you an amazing answer a coacher well he did yeah good point okay down to item five Financial reports we'll hand that over Cindy I placed the budget status report in Google Drive along with the budgetary transfer report um most the transfers I think are pretty self-explanatory lot of them are field trips and then there are a few other things on there does anyone have any questions on them the flag football jerseys
is that didn't we get money for those didn't that come uh wasn't there money coming for the flag football program I think it was $1,000 so it was minimal all right yeah but it wasn't that wasn't just a one shot I thought there was like a three-year Grant of money with that we would still have to they'd still have to be in the budget somewhere right right I'm just curious It's good question I knew there was a first year I could be wrong you could be right I mean they do have they do have ongoing grants you can apply for every year every year reapply for them for conclusion that we get them there's a lot of money behind that right now but I just I thought it was a deal if we got so
many teams and so many schools to do it that we got a certain amount of money a year something be interesting I forget what that amount was I thought it was I thought it was 5,000 i' have to look it up we put it right against for years reflected in the code that we used how about the next meeting just give us a rundown just so we have that clarification anything else on the continue okay um if there's any did any anyone else have any questions on the budget transfers approve please okay so I get a motion for resolution 060 2023 approving the current budgetary transfer report as presented by the school business executive yes sir second any further discussion those in favor I any opposed the resolution is approved and a reminder that we
have to warrants out and Google Drive uh we reev the school taxes to the counties which means any unpaid taxes go back to the counties the counties put th those taxes on the their Town bills that come out in January uh I give you a little table here what went back to the counties uh we we Levy our Levy was 23,64838 for the district plus what we Levi for the library which is $49,500 so the total Levy was $24 m583 and the amount that went back to the counties it's actually the actual taxes was $1,307 127 which is not bad then there's is an additional late fees that go back as well that we will collect so the total that went you know that we're going to collect from the counties because the counties will
pay us and it's on them to collect those taxes we're out of it at that point they need to pay us by first so the total went back that went back was 1, 151,000 so that's just 50,000 actually less than we we last year pretty good so they'll they pay us by April so then we're out of it and the ones uh does anyone have any questions on the reevy what are the the SW the Swiss code is just um a six digit code that indicates what the township is well that's I deleted the column I shouldn't have because normally you'd see Town Town Town bright sorry about that they're all slightly different yes yes they're each a different U like North Ela has two different swis codes they'd have one that's in the village
and one outside the village and same thing with st Arman is in town of gtown that's why there's normally seven uh townships and but three of them have two Swiss cats sorry about that totally took the name right off there um also the audit is close to being done I expect to have um it ready for the board to proove at the next meeting along with the corrective action plan last few years the correction corrective action plan has been the same uh we have more in our unreserved fund balance than we are supposed to have by by the 4% of the next year's budget so it's around 14% this year so that will be part of what I will write up the corrective action plan for and then finally uh we you probably remember originally
when I created some covid budget codes and I was trying to track covid expenditures fasts as good as I could and then um FEA came out with you could apply to get some of your Co expenditures reimburse you so I we went through the application process uh we've been back and forth I had like an advisor at one point he's like you may as well take out like internet providing internet to people because they're not going to probably cover that and it'll slow down your application I'm like I would not have paid for that if it hadn't been for Co so I want to keep it in there I don't care how long it takes so they ended up accepting all of our expend expenditures that we submitted and I got almost 176,000 out of
it so yeah and it's actually in the bank so deal not that we can see it no do you want mention that that is yes um so we had a a check that we had written to a business and the check ended up being signed and in and deposited into an individual's bank account which normally with a business you're supposed to deposit into a business account check cleared and everything but as we were trying to find out why this business hadn't gotten their check and you know they were like you haven't received your payment after researching it and getting copies of it we found that it did indeed go into an individual's account we do not know who or how it could be inocent may not be but our bank shut us right down so
we Gina and I cannot see our bank account online and we have I'm setting up positive pay in the meantime and this positive pay that the bank is requiring us to do would not have stopped this problem because we would tell the bank okay we issued this check here's the amount as soon as the bank sees it clear it so it doesn't even fix the problem to begin with but Meanwhile we're locked down tighter than the drum and so but wait a minute we didn't make the mistake no we didn't no so need to say the bank lady wasn't very happy with me talk to the other bank and I ended up taking $7 million out of there putting it in another bank yeah I was going to say there are other Banks and the
other bank as actually we have a New York class um accounts and they do earn 5.29% interest rather than point two that's in the checking account so I mean I understand that there's concerns here but I feel differently if we were the ones that Mis operated absolutely we did not so yeah we were trying to make it right so but we'll do the steps we need to but it definitely has been a little bit exp keep us keep us updated on that I will anything else I think that's it else for Cindy I have a question about you know just having read the paper about like class and the audit issues that they went through was that an audit that they get every few years it's a state controler audit and we've done that when
I first got here we had somebody that was here in District like for six months almost they sat right at it in another office room and they just asked any kind of question you could possibly ask so how how often does that happen it it's random uh I wouldn't be surprised if it's coming around again sometime soon that long when you first started yeah it was like in 2014 or 15 it's that it is that level much higher yeah this it's intense yeah you you literally have a whole thing you extract all your data almost out of windcap our accounting software send it to them and then they start delving into it they look at different areas I actually when they were here said I'm having some issues with exra classroom can you look at
that a little more because sometimes there's a they can help you if things aren't going the way you need them to go or people AR want to really follow the rules way you need you say help me out here and they they did they actually wrote us on ours was on um excess fund balance exra CL maybe they could call our bank they well I mean you know must be a horrible you know harsh to have it happen but at the same time if they find things that are valuable that's oh yeah you know it's it's it tense but it's definitely that you find you always can learn something from it so yeah all right thank Youk you so move on to item six new business uh we're at the first reading of our policy
0145421 5421 R which is our concussion management want to speak on that sure that actually came out of a committee that uh work together at our professional development day there have been some changes in the state as to how to handle concussion management our old policy uh included the state-ofthe-art uh online you you did a test and then you would test to get back to how you did on your test those were proven to be um a waste of money and time so working with uh Darcy our school physician and um our School nurses and some athletic people we have updated the policy to meet the new RS and what we're actually doing okay then Item B which is an isabeth convention presentation by Tori who was absent tonight um we will table that to
the next meeting so that she can present that the next meeting to I hope you're feeling better on the old business Capital project update so Bloomingdale is closed out I'll be submitting the close out paperwork to state to state department uh tomorrow had to sign off on it uh everything else is moving along we're just waiting for some odds and EDS downstairs in the bathroom the door is finished atova so we should be closing out by Christmas at the latest perfect and Item B the mascot roll out plan so at the last meeting we were tasked as an administrative team to talk about how to roll out the mascot we did um our thought is to work on getting our costume together getting some chonky things is that really it chsky yeah getting some items
to share with students thank you whatever some items to share with students our thought was like when do we actually roll that out we feel like we need a start time or else it seems odd and our start time actually would be we're talking about March with the start of the next season of sports would be a good time to begin that roll out um one thing we did talk about it's very difficult to roll out without a name Welcome to our new mascot who shall remain nameless until we name him like it's hard to it's hard to address it as it without giving it a name so Mr Dan has been tasked with meeting with some of the high school council members to sort of talk about how we might go about naming our
mascot so that's where we sit Erica has been into spending money so we're getting some quotes we picked a few of the different there's so many different images that were sent to us so we picked a little package of images we thought were sort of similar um to start with um and we're gonna go from there awesome thank you for doing that sounds good yep Justin I talked about it so I think you're feeling okay with it sounds great I had a Daydream before all this this time it sounds great about the mascot being unveiled I can wiar a carnival and dancing around with the kids and the parade but that's too early in February so we don't want I agree not want to rush it want to have a massive roll out so plan
sounds great guys what's a buzz in school I haven't heard a lot of talk about it you seen it people no not yet keep us posted on that okay d report we'll lead off with our superintendent report I have no report except to report that I have several items for executive session okay uh administrator supervisors Amy um yes our Middle School student council uh which is run by Hannah Carol and pan Maly um hosted its annual food drive on Monday November 20th to benefit the interface Pantry in St Lake there was contest between classes to see which one could donate the most in Mrs May Dallas's sixth grade fourth period class brought in the most donations with 131 items and the Middle School overall collected almost a thousand items and the food pantry was overjoyed
