002mission statement reads we provide Equitable engaging inspiring and holistic experiences that support success and empowerment for students families in the community in a diverse and changing World our vision here in S is to become a deacon of educational Excellence where every individual is inspired and able to achieve their fullest potential fantastic um next up um look for a motion um for approval of minutes for both August 13th and our August 27th meet by Miss kelder second by Mr Wells any discussion all those in favor all right appr um next up is our student representative report um and joining us us again this year as our student representative is um Meredith Mills um she is a senior uh she's a three- sport athlete she uh runs cross country in the fall although she doesn't do it
003this year since she has a sling on and um uh in the in the winter she is a wrestler and then in uh the spring she runs track and field uh she's a member of Key Club our National Honor Society and somehow in her spare time she volunteers at the uh score store in our school so Merida thank you very much for uh fulfilling this uh again this year hello yeah okay I'm sorry thank you um I just wanted to welcome everyone back this year we have a lot of announcements happening this month um sorry our high school senior started the year with a parade from Simmons Plaza last Wednesday this is our final year at s high school so congratulations to me and everybody else um we also wanted to thank s's Police Department
004for esorting us to the school that morning our open house is scheduled for September 26th from 6:00 to 8:00 p.m. uh fall picture day will be held October 1st and 2nd for the secondary levels I also wanted to mention that I also wanted to mention that the a student that graduated this past June Eric Wisin has achieved a remarkable milestone in getting his pilot's license sorry and at just 18 years old and all of this was made possible through his High School courses and his here at sties and oler boies and this year we this year we have 30% more students attending bosies than we did last year I also wanted to highlight one of our new electives being offered at high school newspaper journalism this class is getting a lot of interest this year
005and there are a lot of students still enrolling in the class this class emphasizes producing the student the producing the school's newspaper while sharpening writing and editing skills as communication tools it will highlight the process of formulated questions sourcing stories verifying the accuracy of of information constructing student surveys and conducting interviews the students will focus on writing articles and editing and revising student and faculty submission so if anyone is interested in learning more about this class or other electives offered at the high school we encourage you to stop by the counseling office and speak to your counselor lastly we want to thank the members of the atonement Lutheran Church in sties for doning donating 76 brand new backpacks filled with essential school supplies to our district that's it thank you great thank you Meredith um
006we'll move on to uh public recognition uh now is time for for anybody uh who is a member of the public who would like to address the board um you can step up to the podium now all right moving on superintendent report um we have two components today of the superintendent report first is a capital project update by tetratech and BBL construction and then we'll do the uh strategic plan quarterly update all right all yours guys all rock after he gives it to you good all right good evening again Jeff Andrew with B J with tetr tech we've been working on the capital since uh near Inception and as we're getting to conclusion on the project uh would you mind just turnning on the [Music] mic um Again part of the agenda what we're going
007to try and cover here tonight is the main capital Improvement project uh the building condition survey these are kind of next steps for other Improvement projects uh the capital outlays for the 2023 and 2024 2023 2024 and the 2024 2025 year and then uh leave a little bit of time Jump in here this it's a great slide to put on there so I I took these images off the district's website so hopefully everybody already has photo releases but you know look like hey there was a great start to the school year um that's always wonderful to see and just seeing you know in faces is always a good thing um it's also nice that you know everything opened on time and even though there's been a lot of construction going on that you know buildings
008successfully open in addition to that so so again and this is a slide that we've seen time and time again the work that we have in place um we are now basically at the point where the projects are ramping down down uh we've reached the level there of substantial completion where the intended use of the space is is available to the occupants and we're moving into that close out phase um for those that have been with us uh you've known that there are some items that have popped up as it relates unforeseen conditions in some of the schools that we're still working on so you will see us out there uh second shift and on for uh the next couple of weeks or so as we wrap up those items uh this is a slide
009again kind of showing the plan of what we had we've reached by this point that completion of the construction phase and are now working on close out so uh this point for those that are unfamiliar we're going through and putting together with tetr tech and their efforts a punch list for those items that are out there making sure that everything is complete for the documents getting together the as built information so able to use that in the future of where things are and what was installed and all of the operations of maintenance manuals again so that as work proceeds forward um those items that are new to the school are being operated in efficient manner and they're being maintained so we don't have to worry about those coming up in the future um this is
010and a lot of the work that we did where vestes these photos are kind of very indicative of where we're at uh the right side of that is what was occurring originally uh We've provided secure vules typically with access um through a uh secured window so that basically locks on the other side of that is a fire shutter that will shut in case there is a fire and this is one of those items where we are still working on there was a change late in the summer adding an extra door that's there that door is currently installed but we're waiting glazing for that opening so that will be wrapped up and taken care of uh these uh secure vbls are basically installed at each one of the schools all of them just a little bit
011different uh kill Elementary School we had a lot of flooring to get installed uh I appreciate the people's patience in Cahill because we had a little bit of a learning curve last summer on the third and second floor this summer we got it a little bit down uh to where it was definitely more efficient worked with the school a lot better and all that work is done um we did did have some Kudos from uh tetr Tech's interior designer as it relates to the installation and we've relay that to the contractors that did the install um we also have the windows that we're replacing all throughout uh kill this is basically on the sections of school that are more toward um it's that Main Street yes Main Street that's there and then we have on
012the back side where the kindergarten is we we put in windows that are there um that was one of the areas when we removed the old windows we found some items that weren't in uh proper repair we've got those taken care of and are proceeding forward with that we're working second shift currently and by the end of the week all the interior trim should be uh Grant D morison we ended up adding the addition in the back that is complete the paving is done the striping is done there was a little bit of a hiccup uh that occurred there with some items when they came out to stripe in the way they're back tomorrow to do that striping thanks John so before we jump to the the building condition survey I just also wanted to
013say uh we actually will have some teams on site tomorrow to continue with some of those substantial completion inspections so that's something we coordinate with the district and we make sure we're not disrupting any of the learning environments when folks are on site um so for the BCS or the building condition before you before you go here can you do me a favor because the people listening out there in the thing give me 30 seconds what is the Bish the building condition survey I think it'd be good just for everybody to hear what exactly that is sure so the building condition survey is mandated by New York State uh s so that it used to be regularly every 5 years they kind of broke that up more recently but um every District in the state
014which is 700 and some odd uh have to complete the this basically holistic look at your existing facilities so it's looking at what is already um what you already have in those facilities and the condition of them so that uh really the the district has a great idea an inventory a planning mechanism so that they know what their future Capital needs are perfect that's helpful thank you you bet um so there there's four bullets on here the first three are intentionally uh gray out because really we're on the the the bottom one there with some of the next steps and this actually plays into some of the other uh work that we need to talk about tonight so where we're at is we we've we've done the all that they've been submitted to to the
015state we' reviewed them the facilities committee and great detail uh for all the buildings and uh from that there was some repr prioritizations things of that nature so what we do next is we actually create what's called The Five-Year Plan that doesn't get submitted to S but that's a document that the district has on file um so that there's a record of of what that plan needs to be so it distills all that information from the BCS which is hundreds of data points for each building and it condenses it into a single document and part of that document is called the the executive summary so what happens with the executive summary is for every Capital project submission to S um whether it's a capital outlay project or a you know millions of dollars worth of
016a capital Improvement project that document has to accompany those submissions and S is checking to see that g the work that you're proposing opposing in whatever that submission is that scope of work so say it's Roofing just to make something up they're going to look and say okay is that actually in your plan that that executive summary which is just that that even higher level snapshot um so that's the next important piece here and why that matters is when we talk about the capital outlay so before we jump to the 2425 just where are we with the 2324 which was at prity with flooring um like we've talked about before unfortunately uh when those bids were received back in on June 20th um there were two prime contracts in there one was for abatement one
017was for GC we only received one abatement uh bid uh and as part of that it just wasn't best value for the district we needed two primes um so those those bids were rejected by the board and now what we need to do is actually put this uh back out to to Reid we' actually had some strategy sessions with some of the the admin team so that we can plan for how that would look and that's really what I'm trying to show down below so looking at uh getting that project rebid basically november-ish and um from there we can get that work done so really we're just going to be focusing on the abatement in this and then the district itself through their own uh forces will do the install of the the flooring product
018um and then the idea is uh closing out by the end of of June of 25 got to get my years right here so the 2425 Capital outlay project that one we're also looking at ricardi elementary but here I know there's lots of little dots on there but the two that that see pointing to pictures those are where we're trying to focus the work this year um so what we really need to do is improve some handicap accessibility especially given um some current student needs at that facility so as part of that looking to uh from that top picture there's about a twoot or so elevation difference adding an exterior ramp to improve that handicap accessibility as well as replacing uh the door to frame the hardware that that's at the top of that Ram
019uh similarly at the the lower picture there's not as much of a difference there in elevation but it's more than is allowed by Ada for handicap accessibility uh so we'll look at how we can make that handicap accessible and similarly with that door there also looking at replacing the door the frame the hardware and at one of these um we'll have to figure that that part out is uh also adding like an ADA push button uh so that there's greater handicap accessibility at that facility uh from that this standpoint um looking at getting this into s by the end of of November and then from there um you know approval times at SD always vary but uh really looking to get that work constructed next summer uh from there we'll also have to package it
020in such a way so that there's there's options as far as uh alternates just to make sure that something can be afforded by basee bid and that's really the scope on that one but as part of that submission s we have to include the executive sary as well in the diagram there can I in the diagram there uh the other entries the red ones the red ones are those not accessible and the other green one is accessible so then there will be three accessible entries or are what what are the difference in colors there on the doors green one so the main entrance is green that's 88 accessible and then the one on the right hand side middle way the off of the gym that one is also accessible right now those other ones that
021are not are not okay yeah so we work together to try to identify at least a couple try to to have the most bang in the buck so to speak thanks can question go right ahead so the flooring so you're are you going to did I read that right where it says you're going to do the flooring during breaks is yes that that's the intent is because there don't have to be a batement first for those can't have have occupied spaces at that that point in the building so we're going to have to be strategic about when that work how much time it will take and when it can be scheduled right CU we we did that once before and we had situation yeah so and and that part of the building that concrete was
022much smoother wasn't as porous as the the main hallway by the cafeteria so hopefully I mean learning from that we know where the odor continued to come from in the cracks so we're optimistic that we can kind of take those same remediation steps to miate that but there it could potentially be a period of time where it's just bare concrete floor that our students are walking on that's by they questions [Music] appreciate your time thank you guys all right strategic Plan quartery update Dr uring [Applause] so just uh while we're getting set up here um as part of our strategic plan we uh we are going to have quarterly Updates this is the first one of those quarterly updates uh so we'll be highlighting the work that has kind of Taken uh that we've embarked
023on since that time and we'll continually update the plan uh make it available to the board for their review as well okay once again why are we doing this we want to get better um these slides you've seen before I just captured in there for folks at let home our process was an interactive process getting Community input through a survey um once again anybody who wanted to participate in our stakeholder meeting was able to participate uh we had 67 people sign up um and then that work led to our blueprint that we're going to be referencing forward our mission statement and vision statement we have uh read earlier in the meeting uh once again Vision those to become a beacon of educational Excellence where every individual is inspired to be able to achieve their fullest
024potential uh on the first day of school um in each building we looked at our V our vision statement together ask staff what words stood out right so what some of the words were their in terms of their fullest potential right so it's not my fullest potential it's not my son's fullest well it's his fullest potential but it's individual right so it it's it's specific to the person all right uh and that also goes for everybody right where all uh every individual is inspired so right so that goes for for me that goes for staff that goes for hopefully our community as well so it's not just for kids our core values our faculty also engage in activity with our core values um to be able to kind of studenti it for the for the
025building um creating images that would make sense for our students uh four priority areas include academic Excellence family community engagement professional culture and then the student experience so with that now we're get to the updates of of actions that have taken place um so for this I just pulled out the action steps uh that we've been able to do some substantial work with uh over the summertime so the first one solidifying the portra of a graduate um M Veil as often says you know what's a sawyer uh so in my mind this is kind of defining what a sawyer is so what what should our Sawyer experience be what should our graduates uh qualities that they should have at the end um so for this we did Embark in a a little bit of work
026in this in the past um but our BLTs are going to be doing this shortly once they kick off in September and October and then our DT group is going to take that information and synthesize it to come up with it with with that so tomorrow we are going to be working with our administrators as to what that activity should entail um with their BLTs also action step research opportunities for Clear career exposure and career Affairs internships Etc um as part of our agenda tomorrow for our admin um M and greo has come up with an idea at the elementary level for uh career fair so we're going to explore that tomorrow um next action step review the current progress monitoring procedures provide professional development on best practices and create common guidelines uh this is
027going to be uh a big chunk of our work this this school year with our mtss plan that was recently approved um how are we going to progress monitor uh in a consistent way in which we're measuring what our students need to needs are um we also recently adopted our our PD plan which does has have elements of this in there as well so we'll be working on this throughout the year as well provide professional learning on on inquiry based phenomena based interest based and Project based learning opportunities that maintain academic R rigor this is a continuation of our pbl work over the past couple years um other evidence for this category would be curriculum writing uh particularly in the sciences that that took place this past summer uh then we had teachers participate in
028uh with the new investigations over the summer as well provide professional learning on generative artificial intelligence um so we had some PD last year at the end of last year in May conference today we actually had two of our staff members uh facilitate kind of an exploratory PD uh for our staff on AI we are going to continue along with with that again this year um and we're also there's other opportunities of available uh through other organizations for PD research Civic mindedness opportunities volunteering develop Community projects in senior Capstone projects um this is we last year we announced that we were at planed Pilot School um the only one in the Hudson Valley selected uh so we met over the summer with our our representative and we're going to be continuing that work uh with
029which also duv Tails into our pbl work as well next action step is research effective use of technology to support student learning um right now our policy committee is engaging in a a conversation on an AI an AI policy provide professional development to staff on uh Universal assisted technology tools um this is where oler bosis M Hutton teacher Center um some staff have taken advantage of of trainings through that as well continuing on with our first district goal of academic Excellence uh provide professional I'm sorry uh develop committees to create common assessments across grades in in content areas uh prior years ago we did uh have PD on Common Assessment development um but a big step in this year was you know mapping our elementary curriculums and other curriculums with pace and scope uh so
030that we know exactly what needs to be taught when and what the objectives are for each one so that's kind of the first step um in developing common assessments that we can have those common conversations about Pro provide professional learning and exp on explicit direct instruction executive functioning skills uh once again the board adopted our PD plan that we will be uh following through with this year and then common behavior management including restored practices once again uh we did approve our PD plan research feasibility of providing scps services that the county has historically provided so this we actually uh have moved forward with we've hired two individuals a speech teacher as well as a uh uh Dr CER has submitted the paperwork to the county for approval um so we will get this up and
031running as soon as they approve it um for that I did attach kind of an overview document for that research data around AAL class size at each level and other restructuring models um in there two uh two articles relevant to class size we'll continue to look into this and update uh this as as we as we continue to move on research the benefits and drawbacks of running prek um once again during budget time we actually kind of formulated this as to what it would cost the the district to actually run prek it would be a a significant expenditure uh for the district to overtake it for that priority area two family community engagement uh with the goal of increasing family community engagement uh established expectations regarding teacher websites Google classroom and Gradebook um we have
032established uh teacher expectations for websites uh contract uh is in the contract um and we have also started a grade book committee uh where the committee will review options uh for a common grade book ultimately a recommendation from that committee uh will come to myself and then I'll be the uh deciding factor as to what common grade book will'll be using going forward so that work began last year will continue uh this year in addition develop uh communication plan with the district to ensure parents families understand what's happening in all schools we'll be working with our PR PR specialist on this U but one thing I I think the community has to appreciated and I've got some uh feed positive feedback on is that that high school campus does send out a weekly notification to
033parents Junior High has started uh commun communicating as well our elementary levels do have monthly newsletters that that go out as well for those on to Priority area three professional culture we'll try to create Foster nurture superior quality professional learning tailored to all staff needed for Student Success um update hiring rubric to to reflect the recort values so miss Balo has updated our hiring rubric um which every candidate who walks through our doors gets rated on uh on a scale um so that is reflected in there so that is finished uh develop anti-bias training for the hiring uh committee um so this is one that Shannon has reached out to uler bosis to see if they can assist with this with this measure uh they thought it would be a great idea for like a
034county project to work on um so Shan and myself be working with allster boies to see if we can make this come to fruition with the idea being that before every interview uh individuals on the interview committee would would uh participate in this training um so they they come to the interview with an open mind research and Implement districtwide uh consistent Resorter practices throughout the day priority priority on the start of the school day develop Implement restored practices professional learning programs uh with the focus on traum instruction mental health uh theal framework empathy and understanding so this is all captured in our professional development plan which we will be following last priority area is to S your experience uh create environment where all students want to come to school where they feel welcom success successful
035in their work recognized for their efforts and supported in all areas uh so utilize faculty meetings for diversity equity and inclusion topics um we had professional develop uh uh to be for our administrators over the summer uh we also had a PD plan uh which was approved as I reported several times Implement consistent policies and procedures on how allergies are handled um so we now have a consistent F pen instructions for staff um we're also Dr kler is making sure that all of our uh monitors uh who will be supervising students you know without other adults around are aware of allergies um um and have the the proper training on what to do in case something does happen research measure research methods to measure student engagement uh this this was a big part of our
036summer Retreat for administrators as well as opening day um at opening day all of our staff uh engage in coners in a conversation around a Continuum of engagement right so what does engagement mean first versus what does compliance mean um from that we actually had one of our High School Math teachers do a similar activity with with their students put the various levels of engagement on the wall and students kind of Define them for for themselves um so in there I've attached our opening dat presentation um as evidence for that research Implement career day uh once again tomorrow we're going to be having a conversation about what that look like at the elementary level and then and then we'll have conversation for secondary and then lastly to report out on is to develop workable meaningful
037classroom protocol regarding the use of cell phones Apple watches boats um so for this effort uh we did share with families what the expectations are at each level Elementary Middle School and as well as uh High School uh we are monitoring the the junior highs policy uh on having cell phones be away for the duration of the day including lunch uh I've been in the cafeteria uh it does hasn't seem to be a problem with students reaching reaching for their phon seem to be going pretty well from my perspective um but we'll continue to kind of monitor that and see if there is an impact on uh student behavior and discipline uh as a result of that um as part of that process the junior high administrators missil Andino did lead a junior high tech
038talk uh they invited anybody to come participate there was uh staff members parents um and they had a conversation about you know the concerns about cell phones and so forth and they came up with the recommendation that they're using for that so this is uh just the first update uh for our strategic uh the new strategic plan we'll continue to do this quarterly uh at other times I may present data and so forth I just want kind of give an overview of what we've WR working for this summer there's still a lot more to do uh but we're going to kind of continue with the effort moving forward any questions on this yes um on priority three um and and I appreciate all this work I I've looked at the plan I looked at your
039spreadsheet um which which actually goes further and outlines some of the uh you know the responsibilities but just specifically priority 3 professional culture can you just explain for the for the sake of everyone uh what it means when it talks about with a priority on the start of the day why is that important and why do we think about those things yeah so I mean the start of the day you know can make or break a students's day right so it's how the bus D meets them it's how when they enter the building if they said hello to if if St our staff are engaging in conversations um so so it's it's that part of it um but I kind of take also too as being in the Forefront of our minds right so when
040we're planning our lessons are we planning for everybody's needs as well great thank you if there's nothing else I do have a couple other things I would like to say first and foremost thank you to everybody for a uh an excellent start of the school year um parents thanks for getting your kids up uh to our staff for for greeting our students with with open art and being super engaged on the first day of school um and then Mo most importantly for students for uh once again re reinvigorating our buildings with with life uh thank you for everybody's patience with Transportation right there's there always Kinks the first day whether it be students that out on time you know families getting one last kissing before they say goodbye to their kids so I appreciate that

042other messages messaging that we see I appreciate the fact that a lot of this uh this messaging is getting out there in anticipation right we we're reminding people anticipating issues and and I think the transportation reminder was just kind of one that stood out to me um you know we know every year every year it happens if you work in schools if you work in school you know in any capacity really you know that things are getting worked out um and I think just just always reminding reminding our community about the the things that we know um even though they're they're Elementary to us right those of us that work in this Environ it's it's fantastic uh uh and again that was just one example so I appreciate that um I appreciate at the start
043of the year um very much and this year um of course we've gotten too used to seeing tragedy in our in our nation surrounding schools um but I was exceptionally appreciative of of hearing updates that our our vestibules were completed um because I think that one of the things that uh this board's made a priority at least in the the two years that I've been on here was certainly uh taken a very concentrated look at our our safety um in terms of our school buildings the entirety of our school buildings and I think the security teams uh and the security firm that that's been put in place is a is a part of that uh emphasis uh these vestibules uh modernizing the entrance to our buildings are a part of that um and um I'm
044exceptionally grateful that uh that we've taken the steps to do those things and that we are we are mindful of those things um I did mention the uh the Strategic plan already uh Dr IG mentioned cell phones um I was going to discuss cell phones a little bit um um it could be discussed here it could be discussed at policy but you know Statewide we know that the cell phone conversation is happening uh we've seen it um you know throughout our nisba uh New York State School Board Association Communications we know that it's uh taking place the conversations are happening at the legislative level we know that uh the governor has talked about possibly even simply you know using the legislature to create uh a mandate that says cell phones will not be in in
045uh in school systems any longer I appreciate the approach that's being used here in sties um the the approach that says you know we're engaging we're involving our stakeholders uh we're looking at some practices we're measuring how how these practices are being implemented we're measuring the impact of these practices um I would always prefer to see a decision like that made at the local level um and and again I'm talking about a school board decision to change a policy regarding cell phones which is is the conversation Statewide Nationwide as opposed to having the governor tell us that we you know we have to do that um because in all likelihood um if the governor did tell us we had to do that um she typically doesn't send money along with that um so at least
046the conversation is out there the topics been broached you know here right these would be my comments at least and Dr 's uh remarks um we would like to see that and and I would like to encourage encourage that going forward so uh thank you for a great opening and I I hope everyone continues to have a uh a wonderful wonderful Autumn welcome back thank you Mr Mo thank you Mr Mo and Mr Wells yes sir um kind of echoing a few the things that Bill said um you know welcome back to everybody here um it seemed that uh I have two children in the district that everything went very well for them um they came home smiling minus my son who didn't like getting up but all in all it was pretty good I
047can't complain um in regards to Bill mentioning kind of staying ahead of of possible issues and communicating I think the the district did a really good job leading into the beginning of the year to kind of get out in front of you know some of the issues that we may encounter um just being very up front of it and and allowing everybody kind of to kind of plan ahead so to speak where in years past we we haven't necessarily done that has kind of put us in a little bit of situation um kind of going back to your blueprint for excellence I actually have with a child a couple children in the district I've already started to see some of the stuff that you've been discussing in there so it's kind of cool when you're
048up there kind of presenting it like oh yeah like I I've noticed that or I noticed this when maybe most parents aren't noticing that because it's not kind of like right out in front of them um but it is it is it is starting to kind of move forward I know it's it's going to take a while to kind of get to where we want to be but I am seeing incremental growth on that end which is is pretty cool to see that stuff um I'd like to say thank you Colleen for for all you've done over the past year year and a half um you know you kind of came in to a lot and we appreciate you putting in a lot of time a lot of energy um you know even uh kind
049of giving away some a lot of your personal time to kind of help set the the district back on course to where we needed to go so I truly appreciate that very much um as far as I know there's a couple new hirs on here one of them I believe sitting out here as well uh congratulations before we approve it but congratulations I'm going assume everybody's going to say yes to it but but uh you know yeah you guys better all vote for me now don't make me look like a fool here but uh you know it's good to see kind of new blood coming in and and some you know people who've been with the district for quite some time as a substitute from what I understand and kind of having the opportunity to
050kind of kind of grow in a permanent position and you know really kind of stick with the the district so I'm I'm happy to see that that's all working out um thank you guys for being here in the in the audience tonight and uh it's all I got um well Bill and Tim have already said most of everything that I wanted to say so I just wanted to welcome everyone back congratulate um those who might be appointed as Tim said um and uh wish well those who may have resigned but I also want to thank um Colleen and I want to thank um you know some of our unsung heroes that really get the school year going and that is our clerical staff in our buildings who work tirelessly um throughout the summer to make
051sure that things are done they have that big long checklist that they know that they have to they're not doing it themselves but they're prompting their um administrative friends and um their teachers about what it is that they need to do to get the year going so um I just want to make sure that we give a little shout out to them so thank you all right thank you car anybody down this way start down you good it is Miss hos Dr hos is up okay great uh welcome everybody and to all of this these great board members I have to say it's really fun being back on the board um and it's just nice not sort of dreading meetings and I mean it's not that I did in my past life on the board
052because of the board I know wait wait let me back that up um but it was really because of sort of the balance in my life um and with work and so it was always like no there's another obligation and it just feels good to feel like I've worked out some of that and that I can be present and show up here in the way that I hope will serve the board and the district so I just want to say welcome and I'm we're talking about trying to get these tables around a little bit more so that we can actually all see one another because this is really our meeting to be able to see and talk together and I think that and these guys need more taable space so anyway um I want to
053thank Colleen even though I have worked with you for the blink of an eye but um I wanted to also really thank the business office and all the folks who sort of arranged that interview that we did yesterday uh there's a lot of work an enormous amount of work that everybody here as Carol said about clerical staff but um that business office has to work well for all of this to happen right and um I just wanted to thank everybody for their thoughtful contributions yesterday in uh the interview and talking and thinking and expressing themselves so thank you um I want to extend an invitation to everybody I think this would actually also be a great event for the government class to go to um is the uh Upstate films at the orphan is starting
054a community conversation series and it's free it's open to anybody it's in the theater on the ground floor um and the first one is this Thursday September 12th at 6:45 about Winston Farm which uh if you don't know about Winston farm this would be a great place to go find out about it and to sort of hear what people are talking about um what might happen there which is a huge piece of property in our town and I think that it's relevant to us as uh members so um building off of what Dan said about uh our sort of individual fullest potential and um we had a meeting before this about uh board governance and which is very exciting to see these things put down on paper about how the board operates and how we
055operate in conjunction with the school to make all of the things that we want to have happen happen um and so today as part of my actually my other work but related to this I found a course for myself and this is related also to policies we have coming up that we're going to be approving today but I found a course that says that I'm going to gain I haven't been taken it yet tools for recognizing the pitfalls of cancel culture approaches to fostering inclusive environments effective techniques for engaging in active listening and adaptable language for conflict resolution so I think it will help me in the work I do full-time and also in my role on the board so um I encourage everybody I mean the board you know we can go to nisba
056and conferences and everything else but I just encourage all of us to think about what we need to do as individuals to um promote the values of the school so thank you all right thank you um it's um I I won't uh belabor the point of hitting on things that everybody else hit on so it's one of the the drawbacks of going last you have to kind of alter what you were going to talk about but um there are so just a just in general I'd like to welcome everybody back especially our new team members we have a lot of new people joining us in the district so welcome to the team and um I think it's uh one thing I we have a lot of new members but I think it's interesting and it's
057it's a it's a great thing that all of our main uh building administrators are back so all of our principles um we're starting the year with all the same ones um Mr Martelli joined us in the middle of the year last year so he's starting to he fresh this year which is fantastic um and you know it's the students and what they bring to us you know one thing um Mr Martelli I think he said it like four times I can't wait to get students back in the building like there's only so much you can do to prepare and we just needed the students back in the building and um having the year kick off the way it is no year is ever going to go without any speed bumps um if Dr IG ever
058sent a report that everything was perfect we'd wait for him to send the real report because just can't happen but I think the amount of things that go into starting a year and where we're at we we couldn't ask for something better um the one thing I want to talk about um since is that is our really our first meeting of the school year is involvement um we are going to and you'll see a second reading coming up that we're going to vote on uh around our Dei policy but there are going to be some big topics that are going to be come up in conversation over the next few months um cell phones Mr ball mentioned AI um and things like that I encourage everybody to get involved um the policy committee meetings are
059open to the public um and this last last one that we just had we had a parent join us in person and to hear her perspective on things um the fact that she was is a professor at news added a a a entirely different level to the conversation um and you know when I say big topics we have ai we have cell phones and then there's going to be the budget the time to get involved in those kind of conversations is not in May it is now um and you know are all of us have an email that's out there it's public um email us with an idea email us with a question um that's fine um but the more people to get involved and I think of that parent who joined us in the
060policy meeting and I hope she continues to join and I hope that sets the example um that is how we will move and hit those things in that strategic plan and be able to be inclusive and and be able to to uh kind of go to that next level um and be able to have really good discussions around that so that they're not you know people aren't surprised when we bring them up for a vote um so I would just encourage everybody to really get involved and get involved now you're going to hear that from me probably every meeting so excuse me um the one thing I will repeat is a thank you to Colleen um in uh I've had the opportunity over um I'm going to date myself over a 30-year career I shouldn't
061say that number but um I've had the opportunity to um have a bring on a bunch of new employees wherever I was regardless of what position they were coming on whether they were you know leading a division or or or working on something else um a long time ago I I had a mentor very early in my career I had a mentor and I asked her when I when I joined her team I said what's what's your goal for me and she said to me leave what I'm going to give you and the division you're going to work on leave it better than you found it and when she said that I'm like oh thanks this Pie in the Sky objective and it didn't dawn on me till a couple of years later exactly what
062she was telling me and I have used that to almost a a myriad number of times who people have worked for me as an ex as an objective and a goal um and by any measurement I think everybody around this table would agree by any measurement you have unequivocally left our district especially the business office in a better place than you found it there is no question about that from the the level of detail to how the budget transfers are now done to the things that have been cleaned up um your short amount of time here has been tremendous so thank you um I know you two things uh the the team at Blue Stone coffee is going to miss you um and I I fear that when I walk in there I know they
063have my name they're going to be like what did you do um so but um so enjoy your shorter commute um the district you're going to is getting somebody extremely valuable so thank you all right I think we're all set there um next up we have um Dr roorbach is going to give us an overview of our sorg's 2024 summer programs this is usually Dr roack and team yes yes yes bring this down about okay happy New Year everybody um it up I don't have so just to reiterate we had a wonderful joyful opening uh I had the pleasure we were all assigned at the cabinet level varying schools I was at ricardi and as I opened my car door I was greeted with liony Richie blaring and it was a throwback to 1984 and
064it was so joyful the parents were joyful so ricardi really made it um a happy opening I've never seen kids and parents so happy I don't have a presentation I'm sending it to you right now okay you say so just to set this up a little bit we're going to share briefly some of our summer programming um that happened this summer next month what I will share is more about professional development and the trajectory of learning for all adults in the district dist as well as students um this past summer we had more than one program happening we had our traditional 7 through 12 academic summer school what I want to remind all of you is academic summer school is for our most at risk students who generally have either they either need course credit
065or they need to retake the region uh and quite often they don't like the subject that they are coming to summer school with so there's a lot of uphill battles there um we also have our K through 6 academic summer school as well we call it the K through 6 Summer Academy we have our title 3 enl Summer Academy uh which was a fantastic program uh we also had uh lots of professional development for our administrative staff I'll talk a t tiny bit about that tonight more next month and we did a lot of Standards based curriculum mapping this year in sties so with all of the student based programs the difference this summer was that it all had to be here on the high school campus due to the capital project not it that's
066I can keep going you can keep going yeah I we can do it without right yes we can um and you all will have them anyway there we go beautiful okay so we were all on one campus due to the capital project and we the student based programs uh Mrs pipon was the constant thread of supervision she had input and help from Mrs mol with hiring in Mrs Vale with hiring Mrs Vale also helped with the Regents but Mrs pipitone was the constant threat so due to that she's going to take over right now and share some of the great work that happened just slow all right thank you um so I first wanted to give a huge shout out and thank you to all of the staff that helped make the summer programs run
067smoothly um and made them possible including the custodial staff working around us on our schedule you know they had this building to get ready and we were using up a lot more space than they are used to being used um they we also had Transportation accommodating us here and the Food Services providing meals for students all here in this one location um um so as um Dr Rach mentioned you know our at risk students so here you can see our enrollment and um the number of students we had 28 students for grade seven through 8 and then 54 for grades 9 through 12 um we offered the courses that you see there we had to be flexible with our model this year because of um staff shortages so we used Apex for some students to
068gain credit as well in some of the classes we weren't able to offer at the time or that they just needed um extra time Apex is our program where students for anybody who's not aware of it students can take these courses and it's more independent online it's based the um excuse me the platform is online they can do some of it at home as well but the assessments themselves must be done in person with the instructor or the you know teacher that is there providing this help um so we do have specific teachers that were supporting Apex um and then okay so here's the acquisition rate the the course credit AC acquisition acquisition rates um which is an increase from last year last year for senior high it was 89% and 88% for the junior
069high and this year we had 92% for the senior high and 98% for the junior high and that is just you know receiving the credit that they hadn't received during the school year um and then here we have some of our Regent um data there was a significant Outreach to families to have students come for summer school to make up you know classes and be prepared for Regions that maybe they were retaking and so when we look at this data I just wanted to point out the number of students that actually attended summer school versus you know the percentage that passed the Regents because we just have less students that are here being prepared for that region so can I ask a question just sure so what you're saying just so that shows me that's
070saying we 18 students for geometry could have been in summer school and we had none correct right okay got it yeah and what the data is also saying is there students who actually come for the six weeks take the course for they obviously have a much better rate of passing but our students who just walk in do not got okay and then for Summer Academy we those are just some pictures of some of the students in the classes um but for our enrollment for K through six we had 37 students six teachers uh well six staff excuse me four teachers then a nurse and also our enl um Summer Academy program so that was another class our theme was exploration which um we carried through with enrichment as well and the evidence of growth they
071have a pre assessment and a post assessment and that's how they gauge whether or not we met our goals and they did based on the I ready data and New York State Standards our teachers provided standards focused instruction and engagement was high during those 3 weeks of Summer Academy for literacy teachers prioritized collaborative discussion and writing response to informational text and building oral reading fluency with rereading for Math teachers prioritize numeracy algebraic thinking and the geometry domains for the enrichment program here we go our enrollment um was 21 students and those are the courses that we offered to them we had um K2 had three choices of um exciting offerings Wild Adventures nature camp summer and color creative arts and crafts space voyagers exploring our galaxy um we had for GR 3 through 5 drawing
072and painting and that was done for 3 weeks uh grades 4 through six had a stem exploration um six grade six and seven there was a sawyer Tunes um Mrs McDougall offered some of um they were playing guitar and and you know just musical exploration and then we had s grades 6 through 12 cookie baking Basics cooking Basics um outdoor skills and a class based on media so it was called Sawyer media meaning and I sent out a survey to those parents that did respond to our um enrichment and these are just some of the highlights and um I'll just read a couple of them the session exceeded our expectations our student says she really liked the nature camp and going on walks she also loved her creative free time in art camp she says
073Mrs H and the other teacher were very very kind she was excited every day to go to summer enrichment um my only suggestion is to make it a little longer 3 hours is a blip when they're having fun that was very evident as well um another one I love that my kid learned easy basics of making scrambled eggs and pancakes such a great life skill they also participated in the cleanup and learned the full process of cooking absolutely fantastic that uh swagerty Central School district has been able to offer this and I hope it continues so the feedback was really good um and it just highlighted the reasons why we try to continue doing that for our students can I can I so those two different groups the academic and then the enrichment um so
074is the enrichment just open to anybody who signs up yes and is there a cost no okay and are the kids in the academic who are recommended for that I mean what's the V look like of the are are there children in both and do the children who need academic support do they have access to these fun courses So based on So based on the recommendations of teachers or did you want to okay based on the recommendations of teachers if they are so if they are recommended for summer school because they have gaps that need to be worked on for their you know their success then that is the priority so um and you know based on our current model that's the best that we can do right now but that doesn't mean that that's
075always going to be the case I'm just wondering if one of those kids could take the steam you know like would they be a do they have the option of saying I don't want to do academic and dream that it would be a full day um right and or some 3/4 of a day so that they could have an enrichment piece and so when they're here in the building together what was that inter section like between the two groups you mean because they were all here all so the high school was on the Junior highend and then we had enrichment and the elementary academy in what is considered our 200 Wing down here okay across from us here so just to emphasize this program was started from the co funds so if it is to
076continue it will be a budgetary question for us that's good to know and here they just attached you will see a bunch of pictures of the things that came out of enrichment and then we had our enl Academy as well and so we had one group and um Sarah Elia was the teacher that provided um the experiences for this group of students and she was teaching them about community and the countless professions that we have here and so she took them on a tour of sties basically and they visited the post office MN Bank Chris Mill real estate Main Street Restaurant Hudson Valley dessert company um kirad house Ivy Lodge Stellas Upstate films the public library the village office and the village fire station so thank you to all of those members in our community
077that that did host our students for that and there are just some pictures of a few of those locations that they visited that enl Academy is that similar to the enrichment where that I question for Dan um is that something that was Co funds and or is it something that yeah so that's part of our federal title 3 funds um so oses applies for on our behalf this is what we the historic and back to so the interesting thing about the enrichment I can hear that there's some curiosity with that is that was Mrs pipitone's internship project that she had with me for her Administration three years ago three years ago and that was at the beginning of the co fund so she has seen it through all right so let's just do a a
078quick touch on the administrators because we're here all summer and that is our time to really exhale um and learn together we had a new team we needed to build some Community among us so we worked on that we also attended deeper learning New York on July 16th and 17th deeper learning is a global opportunity for educators leaders and change makers uh when I've attended in the past I would be put in a group with people from New Zealand South America Canada really a wild and incredible learning experience as an administrator through elra bosis um they have launched deeper learning New York uh they offered the opportunity for me to present I did I presented with Torrence Hampton and the work that he did here in sties and that was an amazing experience the administrative
079Retreat and you know my husband always says why do you say retreat you make them do so much work call it something else um but it was a time for us to really come together and think deeply and we spent a significant amount of time talking about the visioning and the future of sties talking about the blueprint for excellence and how cotter's change theory uh and Dr URC really did a beautiful pie on that and there's always a process in change and very often as humans if you talk about change sometimes there can be a knee-jerk reaction of well what's wrong with me we're already doing so many wonderful things right so one of the incredible things that we all did together on opening day in harmony was acknowledging that we already are doing really
080good things so what are we going to continue to do as soyers what are we going to start to do and what are we going to stop to do so we can attend to some of the things we need to to move forward and really reach that Beacon of Excellence that our vision statement says we all did the same opening day slide deck we had a beautiful Continuum of Engagement and to Dr urich's Point there's a big difference between compliance and engagement and that goes for adults as well we'll talk more about that next month uh this link is hyperlink if you want to see the slide deck um this year we are not doing any new initiatives we are going deeper with the work we have been doing so we will continue engagement equity
081and empowerment work while attending to everything in the blueprint print that we possibly can we we always ask our administrators to do a theory of action statement at the end of our Retreat learning which is basically an if then statement so really putting the OWN oness on us as administrators and our actitude for leading to create the change so if I show up and articulate that I am going to be in your classroom and support you with explicit and direct feedback you will know as an educator how you can rise to the occasion and engage students better um something like that and then typically what I do for their evaluation at the end of the year and I always love this is I give it back to them and I say so you self assess
082how did you do um and it's always a really moving moment for me and I learn so much so um in conclusion for tonight I really do want to give a huge thank you to all of our administrators you were so courageous opening day you were all lead Learners I'm so proud of you and we just have such a dynamite team and we also can get silly together too here's all the crazy things from holding baby goats to doing yoga to uh presenting the standard space curric ulum work I got I have to give a huge shout out to third grade uh Anna zivian our former instructional coach who is now our reading specialist third grade did amazing work they now have Ela map math MAP science map uh social studies map third grade does
083so much work um and they have mapped it and I'm wonderful work F through 12 grade science had the opportunity to come and math to the Nissa standards as you have seen mtss has revised their plan they worked very diligently to revise it um throughout the year you're going to hear these incredible beautiful nuggets about our building computer science program I don't know if you noticed in the board notes last year but our computer science program is amazing here in sties we have the most girls in New York state who participate that's a lot and I'll give you the stats on next time I can't remember them right now they fell out of my head um and we also did AP Psychology mapping okay so where do we go from now so we need to
084continue to stay standards based that is our goal and for the elementary we really it's only 3 weeks so we keep it very tight we look at the data and we say this is the standard we're going to focus on and that's it and we only focus on Ela amount it's three weeks half a day and it's not punitive it's very engaging uh they do lots of um games everything that is needed to avoid summmer slide um prior to the academic summer school programs there's always an orientation and there's always professional development uh we will continue with a common theme that helps bring everybody together um and we will continue to always have professional development for administrators we if we're going to walk the talk we need to do the learning as well um and
085keep our toolbox sharp as well um as we move forward the work is not going away our data will say that we need to do a lot of targeted inter interventions so throughout the entire year we will be trying to think outside of the box and so the enrichment program is one of those things that we have to think okay the community really likes this the students like this so how can we continue to provide this service while it was part of the co funding and I just want to say to all of you thank you for your support report so that we could offer these programs and if you have any questions you can ask this all right great thank you so much thank you Dr thank you Miss P thank you all right

088committee Miss B Roa we have an AIT just pull a little closer can people hear me now yes yep um so we had an audit committee meeting yesterday the first since April 22nd um those in attendance were myself jeffreyi Timothy Wells M Mill uh Dr Michael wolf our internal auditor and Heidi Turk uh the internal claims auditor the things we discussed at the meeting uh were uh Michael wolf who is our internal auditor presented the results of the transportation department review for the year 2022 2023 um as I've mentioned in the past the internal audit is a couple things for the district they doing a risk assessment which is required annually um which is an overall view of the district and then some Focus areas of review um and this one that they had done
089for 220 2022 2023 school year was the transportation department the district owns one bus um and contracts 63 uh 61 runs across four different Transportation companies um even though we outsourc some of our District transportation the district is still responsible for monitoring the New York State Transportation requirements including the Department of Motor Vehicles Department transportation and New York State um education department um so what the internal audit do is they uh looked at the transportation department and they um reviewed the driver's records vehicle records um the performance of whether we do bus drills um in accordance with the state Ed uh our use of charger buses and they reviewed the contracts of our carriers across the district um overall the results were favorable um and they noted on the depth of experience of our Transportation
090staff as being a positive um and they although they did site one of their sightings was that a lot of our processes are very manual um and labor intensive so one of their recommendations um is to maybe look at uh the cost benefit of uh automating some of buying software to automate some of those processes um and then their second finding was in regards to some inconsistency in some of our vendor contracts um our largest vendor which is first student is working off of current RFP that was done a couple years ago and our other smaller contracts um kind of just review uh renew annually and you know his suggestion is that we could put those out to an RFP to align the requirments um he is currently also working on the 2024 uh 23
09124 annual risk assessment um and then part of that his um specific review area would be payroll so working on that hopefully with some uh a report in October um then we met with um Heidi Turk who is our internal claims auditor um the board has a responsibility to review all payments going outside the district and um it delegates that to an internal claims auditor and Heidi Turk has held this role since 2007 um and you can see as part of our audit um our agenda every month is to uh review and approve the claims auditor report so what she does on on a weekly basis is she reviews all the checks going out um which are non payable related um for the district and she's always looking at the support making sure there's support
092behind every check uh that the district is not paying tax or it shouldn't be paying tax because we are a tax exempt entity um and when she has any problems or um you know has questions on anything she is supported by the business off office uh she attends annual training um so that she stays current with the rules um the next thing we discussed at our meeting was uh the requirement to annually review our audit committee Charter um and uh and if there's any updates and I expect that uh we'll have that on our next floor meeting to review and approve the um updated audit committee Charter there really weren't any changes from last year um the next audit committee will be probably in October when we get the uh audit results of the financial
093audit results um uh which is due October 15th um and I'd like to also now extend my thank you to miss Mills um for um working with us I've been working her on the audit committee uh for the past you know six uh to nine months um and just in my uh working with her as a board member I do appreciate all the work she has put in and the detail that she has um put into the work and trying to align the district's finances um in the right direction so I want to thank you um also and you know wish you the best of luck in your new goal all right thank you Christine um the only thing I'll add is I had the opportunity to sit in on that audit committee meeting and
094um I'd like to um thank um Christian Wilhelm um who obviously OB the big part of the audit was around transportation and it's always fun to learn about something The District employees is doing and um Christian is um Herculean effort um as a basically a single person um handling all the transportation components so thank you Christian for an amazing job um and as she as Christine noted most of it's manual um and she handles it all so thank you um facilities committee we we can um the update we had we had a meeting uh last week as well and that was basically what you everyone heard tonight from Jeff and Jim um uh we got the same update in the facilities committee meeting and um the next uh facilities meeting is October 2nd at 5:00
095p.m. I would just also like to add that um at the facility meeting we did share that we are under budget for the capital project right now so that means that there are will be extra funds for us to use uh the idea right now is to we're looking at items that were in the initial scope of work that were taken out in the um when we had to repackage stuff so it's probably most likely going to be site work at some of our buildings uh we are also taking into account which buildings are should remain open for state aid purposes so we do have like for example Morris elementary school we we apply for early Aid payments um so it would make sense to leave that building open for work to be done because
096we are already receiving state aid back on it um so in the coming months we'll f- tune exactly what we're going to kind of repackage to go out to bid for um so that we can exhaust as much as the of the bond amount as possible all right great great thank you um Mr ball policy committee you had a lot on the agenda tonight so yes we did and and it's uh I'm glad you pointed that out we had six items on the agenda tonight um recommendations from the policy committee several of them are our first readings obviously we're still reviewing those and providing uh the other all the other board members that may or may not have been at the policy meeting the chance to review um our policy committee meeting September 3rd was
097was um uh pretty Lively and and I just say that because sometimes policy can be pretty mundane uh in this instance you know we had pretty extensive conversation about something like artificial intelligence uh and that is not one of the items that's on our agenda today for approval um when I think about policy I just share um um you know a thought something that was shared with me many years ago in leadership sometimes to go fast you need to go slow um artificial intelligence is a a very current very current topic right you can't go anywhere without hearing about it reading about it um similarly we talked about and Mr RI you mentioned I mentioned um we we know that cell phones are a topic recurring Topic in in uh media uh and a recurring
098Topic in social media so we know that these things uh and an education if you've been around long enough and I and I don't want to point it to anybody that's been around long enough to see this but we know that things come and go in in waves and it's really easy to just say oh wow this is the issue dour this is the topic dour let's throw a policy together um and I think our policy committee is designed and we're looking for engagement and Mr rosi talked about involvement because it's designed to add that process add that slow down let's really be thoughtful about this and let's I identify any number of things are there additional resources that we need before we move is there a district that has done this that we can
099learn from U any number of of things along those lines and and I would put artificial intelligence in in that category something that requires some real real thoughtful uh conversation I would put cell phones in that same category something that requires real thoughtful um conversation and engagement and engagement right because we are not creating policy we're not creating effective policy if we're not uh getting feedback from all of our constituents that is to say uh all of our employees that is to say our students that is to say our families so with big topics like this we're looking for feedback uh we're going to hit that Mr riasi said he's going to hit it be involved um I'll just throw that out there as a as a policy chair um you know you're always welcome
100you're always welcome our next meeting is October 1st um um for those that that may be interested and I think that's all I have to say thank you all right great um Dr ersi Ford operations committee big strides today so today uh before the meeting today uh we had a met uh we reviewed all of our work so far on the uh board operating operations manual we just have some minor edits to do our attorneys are going to go through and review uh the footnotes which correspond to um our specific policy uh I'm thinking that hopefully in October we can just put it out there publicly and then uh try to vote and adopt it in November but thank you to all board members who participated in that committee yeah and just so people who
101are new to this right so the board operations committee so we're in charge of policy that dictates how everybody else uh operates we thought it'd be a good idea if there was a policy that says how we should operate um so we we've put together a complete um we didn't start from scratch we use something off in isba but it basically details every action and how the board will conduct itself um both with the public internally and on all options so um it's a pretty extensive document and Dr hos continues to say she wish she had it before um uh all right um so next up uh second uh public recognition is there anybody still out there that would like to get up and uh address the board um now is the time to do
102so all right um like to uh ex uh take a motion to um go into recess into executive session um and I think um there will be when we come out of executive session there'll be nothing else to vote just be a joury the meeting um one thing I'd like to not before I do that actually I'm going to skip since um most people will have on is um the future board meetings um the uh starting with next month is when we start our tour of going to the different elementary schools so we start with Mount Maran then in November we're in Morse and then uh December kahill and then we finish up right after the new year at ricardi so that's a it's good to that was a great time last year going to
