Separation of services or resignation and the other is number I believe it is and addition the addition of a summer customs if not I need a motion to adop adopt the
002agendable changes. A >> motion >> second. >> Mrs. Would you follow up? >> Yes. Mrs. Oini? >> Yes. >> Mrs. Simmons? >> Yes. >> Mrs. Currington? >> Yes. >> Mrs. Cherry? >> Yes. Motion passes for to adopt the agenda. Do you have any community comments? >> I don't have anything that's been turned in. Moving right along. Item number three is exe executive session. I need a motion to enter into executive session to consider the important informant dismissal discipline motion demotion or compensation of a public employee or official or the investigation of charges of complaints against the public employee official licency or regulated individual per policy 0166 and R or RC121.22 22 G1 action may be taken. >> Motion second. 004item is our treasures report. >> Um, tonight I am asking for approval of the April 2026 financial reports. We had a finance committee meeting earlier this evening. Um, the reports that I'm asking for you approved would include our cash reconciliation report in our um PNC account. We at the end of April had $6,615,53267. We discussed in that committee that's a higher balance than usual. Our um tax settlement hadn't been deposited there. Um, so our total bank and investment cash balance is $23,774,1625. We still have uh some outstanding checks. We are working on trying to get those. Um, some of them we can't control. People just haven't cashed them. Some of them, you know, were just sent out yesterday. So, well, not these ones, but they're So, we're working on getting all of those reconciled by
005the end of the month. But um our bank balance and our system balance do match at $24,694,923.11. We also have the checks over $1,000 that we reviewed. One that came up as a question um is the one at the top of the list to Samaritan Behavioral Health. That one uh at $116,632.76. We wondered why that was such a significant amount. We looked at the invoice and it was for the months of January, February, and March. So, three months at once. That's why that was so much. Then the third report we spent some time with was our spending plan summary. And so, that's where we look at our forecast, our monthly actuals, and make a comparison there. Um, so we reviewed this in finance committee and asking for your approval on that tonight as well. reference
006to the approval of the financial question. I need a motion to approve the financial report. >> Yes. Mrs. Simmons. Yes. Mrs. Oshibi. Mrs. Carrington. >> Mrs. Cherry. Yes. The second thing I have for um asking for your approval this evening is a resolution to approve the appropriations amendment. We have to have the board's approval to spend within each category and so we had to change some of our appropriations. Most notable would be fund 499. We received the funds for the kindergarten boot camp and so um we had to allocate those and we can start spending those. So I am asking for your approval of that this evening. Mrs. Simmons, >> Mrs. Mrs. Carson, Mrs. Cherry. Item number seven report. >> Okay. I have three items for action this evening. Uh the f the first is
007a request for approval of a um junior RTC field trip for officers training. We just got this field trip via Colonel Graves. Uh his um troop was approved to attend this this event and he is asking for uh for approval to to approve excuse me for approval to attend this event. Usually we do ask for you know 30 days for these overnight field trips but because this opportunity presented itself and again um JRTC funds and pay for all of all of the lodging all of the the stay I think there's about maybe nine young people that are going can't remember exactly but um he has requested approval for this overnight trip we will provide transportation and then our buses will go up and take them to uh Peninsula, Ohio, and then, you know, drop them
008off and then go back up there and get them again. But all of the registration, all of the the lodging, all of that is paid for via Mrs. Any questions? >> Yes. Mrs. Currington. Mrs. Simmons, Mrs. Mrs. >> D is a request for approval of our ProSource copier agreement. We have come to the end term of our three-year agreement with ProSource. We uh as in um technology um supervisor Mr. Brener put together a very compre comprehensive RFP for copy of services and we got three submissions, ProSource, Mom and Xerox. And through our um our value tool, we determined that going back with ProSource is in the best interest of the district. The um the intent for us was to try to minimize uh some cost. So we've eliminated a lot of lot of copers, a
009lot of desktop copers, and we're starting to uh we're going to start pushing a lot more copying jobs to what they call uh MFDs, multifunctional devices, larger copers. So, folks are going to have to get some steps in, but in order for us to continue to uh watch our spending and watch our, you know, watch watch our cost and what we do on a daily basis, we've determined that ProSource is is the best bet for us. biggest determining factors uh with regards to the RFP. Pro Source has a lot of local support which is which is huge. You know, I think Xerox was based in Cleveland and they would have to have some satellite individuals. U Cincinnati and we've had mom before and we really did not have a lot of success with mom several
010years ago. uh and Pro Source actually wanted to get a few years ago, seven years ago from mom, but in the best interest of the district. Although Proource quarterly is a tad bit higher, we think that uh over time with the cost of overage in we'll save some additional save some additional. So I'm asking for approval of that. If you uh thumb through the 20 or so pages, you can see where those questions Mrs. Simmons. >> Yes. >> Mrs. Oi. Yes. >> Mrs. Krington. >> Yes. >> Mrs. Chair. >> Yes. >> Okay. Thank you. And the last I am requesting for approval of the amended personnel agenda with those um those items identified number one. Item number one and 34. If you uh review the agenda as we you have prior um you will see
011the separation of services appointments uh summer school teachers and remember um several of these summer school teachers at the ELC most of them will all be paid through that um kindergarten boot camp grant. So uh none of that is really hitting hitting the uh the general fund. um more appointment summer custodians. Um the uh summer custodians, we always hire additional summer custodians and most of them, if not all, are either bus drivers or food service workers that that work uh for us in the summer. We've got five buildings and we've only got about a month and a half to get all these classrooms clean, get all these lockers empty, all this gum off the floor, etc., etc., etc. And you know, we hire those summer custodians and and most districts do hire them in the
012summer to provide those additional hands for um for that food service workers. And I'll talk a little bit more about our summer food service program. You guys that have been on the board for a while, you you're familiar with that. uh some additional teachers that uh have met the uh requirement or met the the timely the employment leave for continuing contracts. Uh and then uh continued limiting limited contracts and uh the supplemental contracts that that I'm asking for an opportunity to Yes. Mrs. Oibi, >> Mrs. Simmons, >> Mrs. Krington, Mrs. Cherry, >> item number eight, which is discussion items. This is uh just another um not ask but reminder that if we are going to um pursue a a ballot issue in November, we definitely need to start having a little more direct dialogue. We
013have until the middle of August >> August 9th to determine if that is uh if that is a route we want to go. >> You have to file file by then and the board will have to pass a resolution within the uh the next couple of months. I did have an opportunity to uh have lunch with uh John Oliver who was the um the levy the the president of the levy campaign when we built the schools and I sat down and just kind of got some insight on what you know what he did and how we could um you know transition that you know that role to someone else. Mr. Oliver at this point is 90 years old and he uh you know he just can't take that you know take that responsibility anymore but
014we do have um you know we do have a little slush fun little startup fun that if um you know we go this route it'll be key to try to identify someone that can can help us um run a campaign so I just wanted to put that on your radar we have a little time You know, one thing Mr. Oliver said is that you don't want to start heavy campaigning real early because it'll be out of sight, out of mind, but as you hit um as you hit September and October, you know, that's when you really want to start, you know, actively campaigning and and again, that will be all the role and the responsibility of the of the committee and just kind of giving us, you know, some guide us on that. But he
015was very helpful and uh very had a lot of insight on on item number. Um, I would like to start just by offering my condolences to the family of Jennifer Ray, also to the staff and the students at the middle school. Um, I would also like to say congratulations to the graduates and their families. And, um, to all of the staff who supported those students over the years for them to get where they got. Um, for anybody who I mean, I know most of us were were at that ceremony, but um, it it was for me the first time being stage. It was a really awesome experience to get to see I told Mr. Howard to get to see the students, you know, as they are are walking up there and they're really happy in
016the line and then it's almost their turn and they're calling their name. You can see the nurse a little bit sometimes and they're really excited again and um it was it was just an awesome experience and again congratulations to them and and their support network which definitely includes our staff. So that's what I have this evening. That's >> me. >> That's all I So, uh, I do have a couple of comments this this evening. Um, first, in your folder, I provided everybody a folder, there is a letter from Stephanie Kellum, the assistant city manager, and there is a meeting on Wednesday the 27th 5:30 to 7:30 at the uh community and cultural arts center. It is a dinner with the greater West Dayton Steering Committee and the city of Trotwood. Uh they invite you to
017join them at this conversation dinner. I believe it's hosted by the University of Dayton. They uh they as in the city Miss Mrs. Kellum has asked that if any board member can attend, please uh try to do so. And I told her that I would try to get a get a confirmation for RSVP this evening. I you know, I don't know if uh this is something Mr. would like to be an as well, but again, it's next Wednesday from 5:30 to 7:30 and I told her I'd let her know. So, do you think anybody can get that on your schedule? There's a there's a strong I will not be attending and I may have to assign one of the cabinet members to go to the funeral that that's coming up on that Wednesday but um
018if I can make you know make a change they definitely like you discuss that. >> You're right. >> Okay. So, what I will do is I will send a email to Stephanie and let her know that Simmons I will send them an email and let them know and then tomorrow morning I will go ahead and register each one of you via RSVP and then we'll um we'll take care of it like that with everybody. >> Sounds like a plan. >> Okay. Next, I wanted to share with uh with the board our schedule for professional development. Each year at the end of the um at the end of the summer, end of the school year, not summer, the end of the spring, we uh Miss Murdoch and her team put together a a professional development schedule
019at no cost uh that week after we get out of school. And these are all of the the dedicated sessions that that we have. I mean, as you can see, there are plenty of of of things that that teachers can come from a resource perspective and take advantage of. There's a couple that I plan on that I really want to attend when it comes to like Google Sheets and Google Form. I want to learn how to use uh use those and get a little more get a little more training on those. But I wanted to make sure you guys saw, you know, some of the things that we do to try to provide our um provide our our staff those resources. This starts on Tuesday after the holiday and then uh carries on through through
020the duration of the week. And you have a copy of that just so you can see some of the great things that have went on. And a lot of these are there's some internal presenters. There also some folks that you know are coming in to uh support support staff with your um with some very u very strong knowledge. We shared this out with the staff sign up. So we're starting to get get some traction with regards to you know we would like to have a whole lot more but um you know what what nobody can say is that we are not providing Let me pop in. I can >> Yeah, why not? >> Absolutely. Um, next is a copy of the summer food service program. This is a flyer that we are going to uh
021send out. Mrs. Bae and her staff have worked diligently to identify some of the uh the sites that we're going to have throughout the summer. Summer summer program starts on June 1st and uh usually ends around July 3rd. There are a couple that end around excuse me July 31st and there are a few sites that end on the 3rd of August. What we're excited about this year is the uh grabbing go service at Madison Park. If you remember during during COVID, we had the bulk service and uh we provided um you know large meals to to families for for the week for we just got approved. Mrs. Dave did some uh some really hard work to get the state to approve our ability to do that again this year to bring that back specifically at
022Madison Park. So, we are working to uh working to get all this information out. We shared it all throughout the city. Uh we got some posters made that we're going to stick in some of the barber shops and hair salons and I'll probably go around tomorrow and drop some of those off. So, uh I just wanted to make sure you guys were aware. And then again, all of these sites are 0 to 18. You want to say zero, school age to 18. And uh anyone that walks up, anyone that is under the age of 18, 18 or under, can get a meal. We don't turn anyone away. Uh over the years, we've we've served as many as 30,000 meals in the summer when when we were at our peak before um before the tornado hit.
023And we're really uh working our way back up to to getting those identified sites. And then once the new apartment complexes have finished uh and are occupied as well, we'll we'll make sure we plug those into this is this is just a Yeah, you want to take one over there as well. And the library is one of the sites, too. And and last um I also want to make reference to um graduation. I truly believe we had a uh a a very good formal ceremony. Kids were excited. You And I as long as I've been in the district, I I get an opportunity to to know some of the kids and some of the stories that, you know, that they come from. You know, I was looking at one of the um one of the
024young men who I taught his mother and his mom and dad. His name is Kevin and I'm I'mma say his name. His his parents won't, you know, they won't care. his grandparents and Kevin is a student that I had his mom and dad and you know unfortunately both of his parents uh were lost tragically to provide. So his grandmother and grandfather uh one of them is one of our bus drivers by the way they adopted um they adopted Kevin and I just know how proud they are to to be you know be able to see Kevin walk across the stage and there's so many other kids that have their own stories. Um but but what I do want to acknowledge is that you know we had a lot of discussion about how the district recognizes
025students that are that would have been in the uh been in the class of 2026 and there was some back and forth with the parent on how she felt you know we should we should recognize the student but we had to make sure she understood that you know this is a memorial service I mean a a commencement service and we don't want to to make it memorial service. We are going to hold true to acknowledging the kids and and putting some guidelines in place to to be able to share with parents when it comes to these type of situations. Very tragic, very unfortunate, but you know, we have to as a district reflect on, you know, what the purpose of the state is. So, uh what we're going to do and I and I've challenged
026uh and and asked Mr. Ner to work on language for our handbook, our high school handbook that talks about in the event of these tragic situations. This is how we will memorialize students that um that are deceased. And uh I do want to uh make sure I mention and I mentioned it at the end of the graduation. James Thomas, he was one of the young men that uh that I had conversations with the mother about and he was not on the the big board because we did that kind of in a quick fashion. What we've done in the past, we you know, as long as I've been here, I've only seen us do a memorial like that maybe once or twice. But, you know, knowing it now and understanding how, you know, how important this
027day is to some people, there is something that we do need to do, but we just need to make sure we So, I'm I'm making reference to James because his name wasn't on the big board and then I came up towards the end and acknowledged him and uh and his family, but as we move forward, we are going to have some clear guidelines or you know in these situations based on X Y and Z this is how we will you know remember and recognize students that that have passed on so we have something to hand so we have something to hand parents so their minds can be at ease but they're also not trying to establish processes for does that make sense okay but other than that you know, 200 and I think 200 almost
028230 22 or something like that made it over the line and we had a really nice ceremony and we're going to keep pushing those that that you know we got some that are real close and you can always get them through in the summer and bring them back in the fall. Let them march here in the district. Right. Today was the last day. Got all the kids out safe. had a lot of activities. Uh, one of the things that we did for the staff uh, over the last this last week, starting I think we started Tuesday, we uh, through our wellness money, some grant dollars, we had um, Denine Ross and you know, under the supervision of of Mrs. Adams down there, we had food trucks for all of the staff and they had a
029had a really great lunch meal. Uh, some folks uh, went to different buildings because the uh, the food was so good. We had three trucks on the main campus today and uh you know we got a lot of great and positive uh remarks and comments from staff members about the three trucks. Really appreciative of us trying to show them appreciation on the on the way out. Uh tomorrow is uh records day and six. They close out the year and then um they'll be going hopefully we'll get a lot of them back next week for some of the trains. We'll start working on president start date for summer school is the start high school, middle school and then the um the champion program high school and middle school of course high school specifically focuses on credit
030recovery uh really with the direct intent to focus on our nth and tth graders that are that are getting behind middle school focuses on those kids that have failed multiple classes and then uh champions program um some academic as well as some additional experiences that all I So, first of all, I just like to say congratulations to the class of 2020. Um, also to offer my condolences to the family and middle school staff. Um, I also want to thank Mr. because I noticed on the website that um for the uh chain of contact so they can know how to reach out to. So I think that is awesome that is and I just want to say thank you to all of our staff and our teachers. Congratulations to our students who graduated, but most of
031all, thank you to the staff who made it possible for all of the hard work. Um, bad. And I'm starting to judge my life and I mean I see my mental health is really needed. Life is a time to fast. This is some good work that I just take my hat off so many graduation day. So I cannot thank you all enough. Howard, great job. So, I guess we'll take a little time off and we'll ready to start next year. So, have a great summer everybody. Safe summer >> again. I would like to both my peers and Jill has already Condolences to the Ray family as well as the middle school family as well. Graduation was wonderful sitting on those stage and feeling those emotion and just the speakers. I mean we have kids here
032that are super talented. I mean who have been through some real stuff at the age of 18 already. Kids that are in foster care that never made an excuse. they were here and they were in honors and they were in extracurricular activities. So, the list goes on and on and on about our students here. We are doing a miraculous job and they have you guys staff, teachers, administration behind them. We're pushing them along the way. We are doing great stuff here. Um, I'm not sure how many what's the total of scholarships that were out there, but our kids are going places and we are doing a good job here and we have to keep continue to remind oursel that the work we're the proof is on graduation day. It was on Tuesday for me to
033witness all of that. I would like to commend senator Willis Blackshere. He finished a walk um I think early this week on mental health. He walked to the state capital. So I would like he's an alumni from tribal medicine schools and I would like to commend him on making that um walk to the state house and to address the awareness of mental health because it is real. Um we we see it every day. Um so thank you Senator Willis Blackshere for that. Um congratulations to the boys tennis team. They won they were co-winners of the 2026 Mana Valley um tennis match. So thank you for that. Thank you to Mrs. Bait who has worked hard and worked hard almost every summer to get grants for the summer summer program to feed our students and families
034in the community. We know that it's a food desert. It continues to be a food desert here in the Pratwood area. So, thank you, Mrs. Bake, for that hard work you did to secure that grant and that funding. Again, most of you work so hard all year long. Please take some time off to spend with your family, some self-care, do something that you want to do. Um, not get up so early, take long walks, sit on your patio, do something for yourself. You do so much for us and the kids all year long. So, thank you and have a great summer break. >> One time it comes to me, everyone has already mentioned everything that I would want to mention. I concern with the board members again condolences my condolences for the Ray family. Um
035I also want to thank Senator Black because he is always supporting and we really appreciate his support. Um, I wanted to just acknowledge um my validity that we did not acknowledge um at last um and the salute team also all the kids who graduated. I am so proud so proud to be a part of the nation. our kids were so memorable and respectful during the um graduation and it was really appreciated. So congratulations to our um our students and I also wanted to um just say congrats to Miss Watts and her robotic team. I had the opportunity to um kind of see what the robotic team over there looked like not long ago. And so I just wanted to say congratulations to her and like the rest of the board members had mentioned, you know,
036recharge, reboot, reset, take some time off um just to relax and be. But I also wanted to congratulate and thank the hard dedicated staff that we have that put forth and effort every day to ensure that our kids is getting the best best possible education that they can. So I appreciate you. >> That was quick. Mrs. Currington, Mrs. Mrs. Ocean here, and Mrs. Chair. >> Yes. Motion passes.
