001Don't forget to take that out. >> Yeah, we are right. If you want to you want to read the names and then I can introduce >> or want to call it out then I can introduce >> they can read the names. >> Okay. >> We'll figure it out. Good evening and welcome to the Trotwood Madison March 5th, 2026 work session. This meeting is a meeting of the board of education and public for the purpose of conducting the school district's business and is not to be considered a public community meeting. Mrs. Adams, would you call the role, please? >> Yes. Mrs. Cherry, >> yes. >> Mrs. Currington, >> present. >> Mr. Lumpin, >> present. >> Mrs. G, >> present. Can we stand for the pledge of >> allegiance? Next, we will have our mission statement read

002by board member Miss Giz. The mission of the Triwood Madison City Schools is to graduate all students prepared to excel in a global society with a commitment to lifelong learning by guaranteeing a challenging curriculum facilitated by an innovative and dedicated staff community participation and state-of-the-art resources in a stimulating atmosphere. Thank you. Next is to adopt the agenda. Do we have any changes? >> There are no changes to the agenda this evening. >> I need a motion to adopt to adopt the agenda. >> I move. >> Miss Adams, it's been moved and second. Will you call the role, please? >> Yes. Mr. Lumpin? >> Yes. >> Mrs. Currington? >> Yes. >> Mrs. G? >> Yes. >> Mrs. Cherry? >> Yes. Motion passes. Next on our agenda is presentations. >> Okay. This evening we have Mrs. Harden,

003the principal over at West Village, and Mrs. Cassie, science teacher over at Westward Village. And they are going to briefly introduce uh the winners of the fifth grade science fair. And uh each one of the um the participants and winners are going to come up and give us a overview of their of their awardwinning project. So I'll turn it over to you, Miss Hart. >> Good evening everybody. >> Good evening. >> So we have four students here. I'm going to ask all stand by your science fair project, please. Um, our fifth graders all have the assignment of completing a science fair project for a grade. Um, and we had people stakeholders come in and judge each of our students. And we had first, second, third for each classroom, but these four young people were overall

004first place winners. And then within this, we have a first, second, and third place. actually have a double tie. We have a first and a tie for second and a third place winning. Sorry. Um so um we have first is Mariah. He is from one of our classrooms. We have Zalen and then we have Lincoln and also Parker. So we're going to start with Mariah. If you would like to talk to them about your project. Do you need them to come to the mic or over there? >> If they speak loud enough, we can just big voice. Okay. My board project is titled 5.5 Was your hypothesis correct? No. What one? >> What one? What bad? >> What is your result? Yes. All those power. I also So they tell them what your project was

005and then read your conclusion. Okay. Yeah. Talk louder. If you look at me, They value another Everyone Can you tell them what your um project was and give them a conclusion? Okay. >> So, everybody, you can tell them what your project. My project was was does water, baking oil, um, acetone or vinegar clean a penny best? I got four new I got four p clean pennies. Put one in water, one in baking oil, and one in one in acetone, and one in vinegar. I waited a few I waited about three days at five and pulled them out at five. The water didn't seem to change much. The baking oil changed a little bit, but was still pretty pretty much the same. The acetone had done a little The acetone had cleaned it off has had

006clean it it off a little bit. better than baking oil. And the vinegar had um the vinegar had cleaned the penny off very well. It was well cleaned and whenever and it turns out that whenever I pulled out the penny, it had a crack in it and the vinegar seeped into the crack and broke the penny in two. My hypothesis was that vinegar would work the best and I was right. blackard and my hypothesis was I think the female black possibly the amount of so in summary the cost. So as you can see they worked really really hard and it takes a lot for our kids to get up and talk in front of strangers because some people they did not know. We did have some staff members um that did um use the rubric

007to score them, but other individuals they've never spoken to. Overall, the whole fifth grade class who participated who did it did a phenomenal job just this year, even better than last year. >> Yeah. I mean, you it's a powerful thing to see an entire room full of students proud and we really do thank the parents that are here because we know there's a lot of guidance. Remember that while we study, you know, how to set up a project and stuff, this was an at home project. this was them going home and reaching out and you know getting everybody involved in this and it's great to see the ownership of the students and we said can't wait to see what fabulous projects they're going to turn in in middle school and in high school. Uh these

008really are our future engineers, our future chemists and you know I keep telling them paleontologist I like a missy dinosaur one day but she'll wait. So with that, like we said, these are the overall winners for the whole fifth grade, but then within this group, we have a first a tie for second place, third place winner. Okay. So with that being said, our first place winner, you would please come to Miss Cox. You can walk to you actually is Mariah. Then we had a tie for second place and that would be Zalen and Lincoln. And last but not least, the only girl up here, our third place winner, Miss Parker. So, thank you. You guys are amazing. You go. You can take your projects actually if you we want to get a picture of of

009the uh of the groups. If you guys can stand by your stand by your projects. And for the record, I know I need to stop drinking vitamin D milk. You said the same thing. I need to quit buying those cheap batteries. Know what I need to use to clean something metal. And I can't help you on the nail polish. Nail polish. Yeah. All right. So, look, Miss Adams, you mind taking a picture? Mom, appreciate smile a little bit hard to choose from. We really do thank our stakeholders that came out and stuff and it's hard because all those projects are also and they're also passionate about it, but these really hard. >> Good job. Good job. And we definitely appreciate the parents that have helped supply all those uh poster boards and light switches. I

010went and bought a couple of those light switches for a closet I had. I saw them at the saw them at the uh the science fair. whenever you read. So now we're going to resume back to our agenda. A wonderful presentation from the Westwood Village students. Next on our agenda is the board report. the board report you >> um >> yeah you know you can g the board with regards to >> Oh yeah okay so the board report um the board board uh retreat will be March the 14th here from 8 to 12 Did you have any questions? >> I just answer. >> Yes. >> And it will be representatives from OSDA that will facilitate this retreat. Will um will the board need um the Would you like to still have the um live stream

011for that? Really doesn't matter. You you don't have to, but I just want to make sure. >> Okay. Okay. Great. All right. So, we'll we'll work it over just to get that together. Number four on our agenda is the treasurer's report. >> Okay. Um I have for you and it's for information tonight. Um just information about our February our January financial statements. Um those were inadvertently left off of our February agenda for approval. So in our next meeting, I'll be asking for approval for January and February. So we'll just review. We talked about this in our finance committee meeting. It just didn't go to the agenda. Um, and so you have in your folder just our uh cash reconciliation report, our total bank balances with our PNC general account 2,781,179.38. Our investment account balances $19,719,19.78.

012Our total bank and investment cash balance is $22,500,289.16. Um, so our adjusted bank balance after we subtract our outstanding vendor checks, which are checks um from the past five years that haven't been cashed yet. We're working on contacting people to to make sure they know they have those checks. Um, the adjusted balance is 22,147,64745 which matches our meta balance exactly to the penny which is exactly what we want each month. So that's for January. Um, you also have the spending plan summary which is the report that that looks like this. We talked about this in our finance committee meeting too. And um one figure of note that we'll I'll just keep pointing out to you as you go um is about the one fourth line up from the bottom 6.0 excess revenue um and other

013financing sources. Are we over or under? So this this brings us to that topic of deficit spending. Um so I'll just just bring your attention to that. We are currently deficit spending this school year right now 1,284,237.60 and we know we have reductions that we're putting in place for next year. So we would hope that we're not seeing as much of that next year. Um so that's just for information tonight. At our next meeting I'll review the February with you and ask for approval for both of those. Um it looks like I went out of order. So, I also have just for your review tonight, um the approval of the February 5th, 2026 work session meeting minutes and the February 19th, 2026 regular meeting minutes. A copy of those is in your folder for review

014and we'll be asking for approval at the February meeting, Febru March 20th meeting. And that's all I have. Are there any questions in reference to the activity plan summary. >> Can you explain what happens to the checks if they are not claimed? >> Yes, if the check So we have board policy related to um outstanding checks and unclaimed funds. So at the end of the year, we'll move the um the balance into our UNL unclaimed funds account. Um it sits there for five years. People have an opportunity to come back and say, "Oh, I got your letter. I remember it. I need, you know, I'd like that check. Um, if they come back to us, we will reissue the check to them. We keep very clear records about the the funds that go into that

015account so we can make sure we're paying back properly. Anything that's been in that account for 5 years, um, I can bring to the board and with your approval, we can redeposit in the general fund. That's what our policy would allow for right now. Nothing is more than five years old until we get to December of this year. So, we're just sitting. >> Thank you. >> You're welcome. Are there any other questions? Moving to number five, the superintendent's report. >> Thank you. I do have a few items uh this evening. A few for information and a few for approval. The first uh for information is the approval of the Tribal Madison High School junior ROC overnight field trip to Columbus May 21st through the 24th, 2026. Uh if you um look at the attachment, you

016will see a letter um from uh Director Murdoch with regards to details from the trip and then just some general information about supervision. I know that's always a question about supervision. Uh this is a small group. The RTC group is a small group. So uh Lieutenant Colonel Dr. Graves will be responsible for uh supervising those those young people. That is for information. The next item for information this evening is request for board approval of the tribal Madison High School band overnight field field trip on May 23rd through the 25th, 2026 to Detroit, Michigan and Sanduski, Ohio. Again, if you uh click on the attachment, you will see another letter from Director Murdoch with regards to some details of the trip, the names of the individuals that will be chaperoning, and also uh just a summary

017of the activities that the uh the young people will be will be participating in. The next item is for approval. this evening and this is approval of the athletic do excuse me donation to the athletic department. As you click on the attachment, you will see a a letter from uh Mr. Smith, athletic director. Like to recommend the board of education accept a $250 donation to the athletic department from Kappa Alpha Fraternity Incorporated Dayton Alumni Chapter. So I am asking for information on that action. Excuse me. I am asking for action on that this evening. Thank you, Mr. Chair. So um I need a motion to approve the donation in the amount of $250 from the capital organization. I motion. >> Second. >> Move a second. Follow. >> Yes. Mrs. Currington. >> Yes. >> Mr. Lumpin.

018>> Yes. >> Mrs. G. >> Yes. >> Mrs. Cherry. >> Yes. >> Thank you. Item D is a another field trip request and I am asking for approval on this as it is scheduled for the 19th and the 20th of 21st 19th through the 21st of March. And this is another JOTC field trip. We um we did not have the the letter request and and the field trip request for our um last meeting yet. It kind of got convoluted in the mail. So that's why it's coming to you at you know at this time for this board meet during this board meeting and we are asking for action. But again uh the small ROTC group I think uh 8 to 10 students at the most uh Dr. Graves will be uh responsible for managing the

019and supervising the students. And if you look, all of the uh details are on the letter. So if you have any questions, I can refer you to the letter. I can try to answer them. But I am asking for approval on this one this evening. And it it is slightly out of our our process, but because we got these uh two requests late, they were submitted in time, but we did get to them late because of um you know, we had >> we had um we missed the missed the whole week and you know, there's a lot of things going on, but we wanted to make sure we give these kids an opportunity to participate in this uh field trip. So, I need a motion to approve the J Oc overnight out of state field

020trip from March 19th through 21st. >> I do need a motion. >> I move the second. M, could you call the ro? >> Yes. Mr. Lumpin? >> Yes. >> Mrs. G? >> Yes. Mrs. Currington. >> Yes. >> Mrs. Cherry. >> Yes. >> And for um just for information for Miss from Miss G, any field trip that comes um to us that is requiring or asking students to stay overnight or out of state, we have to bring it to the board for approval. And usually out of out of state or overnight, out of state, we can send if it's not overnight. So, as long as it's in the state that's connected touching Ohio, we can send them as long as it's not overnight. But if it's out of state and overnight, we got to send it.

021But if they're going to Tennessee, then we have to bring it to the board for approval. But the reason that we're bringing these is because of the timing. Usually, it's a 30-day uh request to get us the field trips. So with that being said, I am asking for approval of e approval of the trial Madison singers overnight field trip on March 27th through the 28th, 2026 to Tiffen, Ohio. If you click on the letter, you will again see another attachment that outlines the activities and details for the trip, who is going to be who is going to be attending and there will be Mr. Stokes and I think the singers group is a smaller group that he and I don't know who the other staff member is yet but I think there would be >>

022two staff members miss two staff members that will be supporting I'll find that out two staff members who are going to be going with that with that group if it's the large group I I'll find that out >> I do have a question is there a ratio um when it comes to Yes. It used to be like 15 to one. It used to be like 15. >> I don't think that has I don't think that has changed. So I am asking for activity. I mean excuse me act asking for action on that this evening. A lot going on with my computer right now. I'm sorry. So, I need approval um for the Trotwood Singers for the overnight field trip on March 27th, 28th in Tiffan, Ohio. >> Motion. >> Miss Adams, would you call? >>

023Yes. Mrs. Currington? >> Yes. >> Mrs. G. Yes. >> Mr. Lumpin. >> Yes. >> Mrs. Cherry. >> Yes. Okay. And the last item for action this evening is the personnel agenda. I forwarded the agenda to uh the board on last Friday afternoon. If you have any questions, I can uh I can answer those. But as you see, starting to get a few uh terminations uh retirements, resignations, uh two retirements. I will uh you know kind of bring some attention to number three and number um number five longtime employees here in the district. Um Mrs. Sterner and Mr. Mays have submitted their um their paperwork for uh for retirement. Moving along, uh, appointments of substitute teachers can never have enough subs and and as, uh, we've shared several times, subs are only paid on a as

024needed basis when they work. So that $175 a day is only when they only when they work. Uh, substitute lifeguard, the same. Uh, that $20 an hour is only only paid when they work. uh some classified appointments and some supplemental appointments. Uh there was a question uh just in conversation about flag football. We do have a high school and middle school girls flag football team. This is year two of flag football. I didn't I didn't know uh all of the details of the girls middle school team, but I found out we did uh we did uh field a middle school team briefly last year and we've got I think 12 middle school bureaus this year that are that are playing. So that uh you know called causes for us to have uh you know have

025a supplemental for that. But, uh, middle school and high school flag football is now a, uh, a sport with the, um, Ohio High School Athletic Association. So, if kids want to play, we're going to provide the opportunity. >> So, I am asking for that action on that this evening as well. >> Are there any questions for the personnel agenda? No questions. I need a motion to approve the personnel agenda. Second, >> Mrs. Adams. >> Yes. Mrs. G. >> Yes. >> Mrs. Currington. >> Yes. >> Mr. Lumpkin. >> Yes. >> Mrs. Cherry. >> Yes. >> Next on our agenda, discussion items. >> Okay. I do have a few items this evening. a couple of updates from previous meetings. The first discussion item 6A graduation rate update. I am going to ask the board to allow allow

026me to bring a more current graduation update to you guys upon the next meeting. third quarter uh concludes next week, Friday of next week, and we'll be able to update update you guys in in real time uh with regards to where where we are with um with our with our 12th graders. So, next meeting I will have a more current update for graduation for the class of 2026. >> Okay. uh B uh 6B is the application of use usage of district-owned facilities and our premises. This question came up or point of discussion came up in our last meeting about what we charge uh for usage of school facilities. So, um, what I what I did is I put together a, uh, just a packet for you. Uh, six, if you look in your, uh, look

027in your your folder, 6B speaks to what our board approved policy is and how we identify who is able to use our our facilities. There are four different categories that solicitors to you utilize our facilities fall into. Group one, school group recognized community partners. Group two, nonprofit community groups whose activities are student or community related. Category three, nonprofit group operating outside the city of Triwood included but not limited to parochial private or public schools or for-profit groups operating within the city limits. and category four private interest groups for profit groups outside the city of Triwood. So with all of those categories, there are correlating fees. There's a correlating fee schedule on page two that identifies what category you fall into based upon the review of the application and then what you will be what you

028will be charged or what you're charged in essence for usage of the facilities. Anytime we rent the facilities, uh there has to be a custodian on duty unless it is it falls in those um category one category one group that category one group that um that does not need a custodian otherwise they're custodians that are all custodians are always required the external uh facilities and the exterior complex, football stadium, baseball fields, etc. And then on the last page is the the rate for custodians for supervisors. If you've ever been to our our swimming our adult swim, you will see uh Mrs. Thordon who serves as a supervisor for the adult swim and we pay her to manage that. Anytime anyone rents the facilities or utilizes facilities, they have to have a $1 million liability liability

029policy. We will not uh rent the facilities without that liability policy unless they are a school organization. If they're a school organization, then the district assumes the liability. Also following uh the um the packet of information is a copy of the application that the individuals have to fill out. And then you should have a list of community partners on the last group. And that on excuse me on the last uh piece of paper the last document that group was voted on and approved in 2018. So uh it is probably time to review uh that or those organizations. Most of them are still still in play, but those are the identified community partners that we either uh let use the facilities for free or we uh charge them a uh a minimal fee or in some

030instances a seasonal fee like we do with the Triwood Rams, the uh Trotwood Metro basketball organization. those uh those organizations are are charged seasonal fees. So uh the the question came about were we in going to increase these these fees based upon you know some of the things that are going on um with you know definitely with regards to the increase of cost electricity water etc. So uh what I have uh charged Mrs. Rogers uh to do is to start investigating other districts, other local districts, and what they're charging. We uh we did this in 2014 or 15. I I did the same exercise where I I compared probably about 13 or 14 different districts uh in the county and outside of the county to uh to just make sure that we were we were

031competitive in in in fee charges. But, you know, at this time, this would be a good time to just re-evaluate those um those charges to see if we have uh fallen behind or if we're still competitive. So, um I guess with that being said, if we are not and if we see that we definitely need to increase our fees and then we cross reference that with our our bills, especially those water bills and those light bills and bills for staffing, then I will be bringing back to the board a revised fee schedule for your review and I will give you plenty of time, plenty of time ahead to take a look at it. And uh and then uh upon our review, I will ask the board to uh vote on a new fee schedule. Any

032questions about that? And the the categories have all kind of been identified as what is and is not a benefit to the community, the school community. when you get into your category 3es and your category fours, those essentially are folks that are renting a facility to to make some money to to have a event to uh to play a football game. And your category ones and twos are are really those um those groups that have been identified as beneficial to >> how many three category three and four requests do you get? very few outside of like dance troops, sometimes au basketball organizations. Um, every now and then we will have someone request the usage of the of the football facility of the football field, the the football complex. Uh, most of the time they're parochial

033schools that don't have a home a home stadium. I think the last time we rented we rented to Archbishop Alter to let them and that may have been a few years ago but uh very um you know I don't want to say rarely but seldom not you know very seldom that they they inquire about you know the the stadium but all the time when it comes to like AE basketball and and what we we've done is we've partners partnered with the city of Troy so with when when they're looking for time in the winter especially the AE basketball organizations, we're all booked because our Metro League program that is run through the city of Triwood, they they they capitalize the time and you know, it doesn't make people happy, but you know, we you know,

034we let them know that, you know, 75% 80% of these kids are our kids and we work with, you know, with the uh the Metro organization, the Triwood Metro organization in our facility. We we used to get um the uh I can't remember the dance troop right over here off Shallow Springs. Um >> yes, we used to get them all the time. We used to rent them all the time, but the last year or so, I haven't heard from them, but we have year on on a yearly basis, we've had a huge drill competition here. And I can't remember the the lady that that ran that competition, but it was at the uh it was at in the high school gym. So once or twice a year in the summer, we we do uh we

035do utilize the uh the gym and make rent out the gym for drill team. And we require them in, you know, those large events, we require them to have their own security. We require them to have their own staff. We require them to come in and set up. We'll set up in general. How many tables do you need? Where do you need them? but they want to move them move them around uh we'll help in a sense but and and for the most part we we haven't had a whole lot of u whole lot of issues with that >> and if they don't pay we don't let them come back insurance >> yes yes everybody that enters the facility and the usage has to um has to carry insurance unless they're one of our organizations

036so we'll get applications we'll get this application from you know from the middle school that wants to, you know, have their program or or or steam night. And of course, we we get the application from them because we want to put it in our in our system. We have a um a facilities management system go through FMX that that is a scheduler in a sense. So, we'll get this application, we'll put it in the system, but of course, we don't charge them anything or they don't have to carry insurance because it's a school activity. >> So, that so you can now do this one online. You can actually we we still don't have a whole lot of people doing it. So, we're working through Go FMX to get it all online where you can actually

037go into the link and click that and then fill it out and then it'll go right to Miss Rogers. It is not, let me say this, you you can't yet. It's not full fully functioning, but we've pulled this off of line and we're trying to within the next uh within the next couple of weeks get that get that logged on. I mean get that so you can log in and fill it out. It's a great question. >> So when we rent the facility, are we renting out the kitchen as well to outside entities? We will rent the kitchen only under the circumstances that they have one of our people there with them, but they cannot use any of the equipment. So, if they want to go in and they want to set up, if they

038want to prep, they can do that, but they can't use any of our equipment because if you cook in our facility, then your daughter >> will come. >> That's how I just make sure that we not Yeah. will come and shut us down. Yeah. So what we do is if they want to use the kitchen for prep, that's that's all on them. And then anytime anybody cooks in our facility, they have to have their own license. Okay. They have to have their own life. That's a great question. >> So again, what I'll do is uh Miss Rogers and I will work we'll work through this process. We'll um get some some some comps, comparables with regards to fees, and uh we'll go from there. and we'll see what uh what we come up with and

039we'll bring it back to the board probably in a couple of months. >> I talked to my own bringing her girls back. >> I know she was here I know two years ago for sure. >> Yeah, they they they've showed up. They showed up. Oh yeah. >> All right. See if my computer wants to work. So the the next item I have on the agenda identified as 6C. I wanted to um share with the board the district threat assessment protocol and I wanted to share with you guys this this information to kind of get ahead of of probably some inquiry inquiry that's coming uh either through you guys or through the state just to make sure that we are are being compliant with uh House Bill 123 and OC 3313669. Nine. Each district is responsible

040to have a threat assessment protocol in place to evaluate and um review the the um actually whether or not a student has exhibited some threatening behavior that could be uh detrimental to uh to themselves, to someone else or to the school community. And through this threat assessment, there are several different steps that we have to take. There are several different uh areas of review to determine whether or not the threat is low, moderate, or high. And you can you can look at all this uh you know, like I said, you know, if you want to read it at night or you go to bed, that's that's up to you. But prior to um prior to identifying whether or not a student has exhibited any any threats, they have to run we have to run them

041through this process. And this is done by a team of of staff members that are all trained through a state approved threat assessment program. We use public school works and it's a module. It's about 30 35 minutes or so that they have to go through and then our school resource officers have to go through the threat assessment training too. And then in the event that a student is exhibiting threatening behaviors, we pull out this threat assessment. We run them through this through this test of of a variety of different things and then ultimately we come to a conclusion what level the threat is and then determine what our next steps are. And I'm sharing this with you guys because uh there is um there is some conversation that you know they are going to start

042you know asking some questions at the state level about what our threat what threat assessment policies are. Uh, so I sent an email to um to all of the principles and then Mr. Nadier who uh kind of kind of manages this process just to make sure we are all on the um up and up with regards to what we're supposed to be doing as far as threat assessments. And this coincides with our building emergency management plans that will come due for renewal next year, next school year. and through those emergency management plans and through the threat assessment, all of this encompasses some of the um some of the safety protocols for our district. So, I wanted to provide you guys that because you may get an email or you may get a a letter just

043about House Bill 123. So for an example, you have a student that um another student in the case that you know um a student is I don't know just know that possible or something >> right >> what is the procedure you would you take that information to the administrator the administrator contact that student >> and we go through this >> no not not in that situation okay if if that situation happens. Somebody tells us that a student has a weapon on campus, the information is given to the administrator, the school resource officer is on site, the administrator and the school resource officer will approach that immediately. Threat threat assessment is in the event that maybe somebody made a threat or maybe somebody was exhibiting some behavior that was out of character of them or made

044some threatening statements or even if if a student uh has made some some some sexually provocative you know u you know threats or or or said some things >> suicidal all of that. Yes. All of that. So what happens is they are dropped in this process. the group comes together, they run this that individual through this process, this threat assessment process, and then on the back end, they come up with a determination and then we try to figure out what resources we attach to that kid from that from that um from the bank of resources that we have. >> Okay. Then what's the followup process? >> The followup, of course, is always getting the parents involved. And then some of those resources will kind of allude to what the follow-up would be. Whether or not

045this student we need to we need to send them to mental health or whether or not we need to attach uh some outside services to that student. Whether or not you know the student maybe needs another another placement. So there are variety of different I don't want to say consequences but a variety of different conclusions would be a better word. That's based is that based on the assessments charts or you see low, moderate, high, >> right? >> Imminent. So based on where they land in that, that's where we decide the resources are, >> right? >> Imminent being that whatminant >> if if it's an imminent threat, then we that has to be attacked immediately. >> So as Mrs. Cherry made, you know, made reference to that would be considered imminent threat, but that wouldn't go

046through a threat assessment process. that would, you know, if a kid is making threats to himself that they're going to hurt themselves, that could be considered an imminent threat. Or if a kid says online and we get something from, you know, tribal police that a kid has made a threat that he's going to blow up the school or something like that, then yes, we could convene that group and then quickly determine, okay, this is a high threat and then we'll we'll address it like that. Any questions? Can you identify? >> So yes, so each building has a team and there's a crisis team that convenes in the event of our crisis teams are always in um in full and max capacity when when we had situations with students passing away. So there's a crisis team

047and then there's this threat assessment team and then there's a safety team and they're usually the same people. They're usually the same group of people. >> You have that for each building. >> Yes. Each building has >> How do we how do we go about selecting who who those people? >> The principal the principal is is responsible for convening those ters and then the school resource officer sit on every threat every they sit on everything. So the school resource officers, they split the buildings and one has two and one has three. So in essence, if we if we perceive a threat, the principal will call students. Now, I'm not going to sit here and say that like anybody that we've utilized this to the best of our ability, but we have this process and we

048have to start we have to start maintaining and and ensuring that we in the sense we utilize the the resources that we have to ensure that we are um we're evaluating you know grant levels. questions. >> End of the year. >> So, yeah. Great. So, so what what is what should be happening and what is going to happen is that if we run a kid through this process on the building level, it will be logged and then ultimately on the district level it'll go through the office of student services and we'll have have the ability to make reference to any of these. You guys watch the information about the schools in Michigan and how many warnings are there for the kids. >> And that is what this is about. >> That is what this is

049about. That is exactly the purpose of this. And and with some of the things that have I don't know maybe been perpetuated in in what's going on here the last couple of years with with uh you know kids exhibiting some some some different behaviors and you know the the political violence and the other levels of violence. All of a sudden, I got this this bulletin about 123. And uh immediately once I got the bulletin, I sent it out to Mr. Nadir and I sent it out to the principles to ensure that everybody is on the same page about what the threat assessment is that we do have it here in the district. Got to make sure that we utilize it. We utilize it in the case of uh you know of somebody exhibiting or a

050student or anyone not it doesn't even have to be a student. look at your staff member exhibiting these behaviors and that we have to make sure that we utilize our process and this doesn't become something else that we just check the box for and just have it like yeah we have it no we we have it and we need to make sure that we utilizing it in those situations >> okay uh D. >> So D. >> Okay. I'm sorry. >> Yep. >> Fiscal alert update. Um I uh and you know I really don't know know how much more we can say with regards to um regards to fiscal. the um the last two weeks specifically have been um have been rough in in the sense that we have had to have some conversations. I shared

051this uh shared this with the board that uh last week we uh we had two meetings that we um we met with uh members of TMEA. We had one virtual, we had one in person where we invited them to come in and ask any questions. I shared the same the same uh PowerPoint presentation uh Google slide presentation actually that we shared here in the board about our status. Uh we met with uh TMEA uh we shared with them the um you know the the list of of individuals that that were affected and then we proceeded to uh start having having meetings and conversations uh Mr. Manley and uh Mr. Nadier uh and myself all um managed those meetings. Uh we broke, you know, we broke those individuals up and it it wasn't a it wasn't

052a fun thing to do. Um you know, it's it's an unfortunate circumstance. Still trying to um get people to understand that it's not the board of education's fault. It's not the administration's fault. It's not the staff's fault. we are dealing with some circumstances that are out of our hands and the expectation is we address the bottom line and that's hard to explain to people when uh when you're talking about the livelihood and uh you know some of our conversations people understood and uh some did not and some did not take it well and that was anticipated but we have um we have assured anyone that wanted some um wanted some support that we were here uh for them. Mr. Manley and his team put together a folder uh for every individual that was affected. And

053in that folder was a a copy of the letter from the state, a copy of the um the actual reduction in force letter and a reference to the revised code because we wanted to make sure we did everything correct procedurally as well. Then we also included a copy of the um a copy of resources that we that the district would provide in the event that any individual needed needed some support. And I and I'll share with that with you guys at a later date. And then we also provided them a a letter of recommendation for me from me in the event that uh they they needed that to try to seek employment elsewhere. I have had um several um superintendents, when I say several, I say at least five superintendent uh ask me about a

054couple of indivi individual positions. The positions that we reduced, I shared them, not the individuals, but the positions, I shared them with our uh with our county superintendent on on the uh on the the list serve that we have with the county superintendent. And a couple of them have contacted me already. So, you know, I'm I'm really hoping that anybody that um that was affected will be able to uh will be able to seek employment and and again, if they need support or if they need help, we're here. But at the same, you know, within the same point, we understand that we're working to address this, but you know, if we don't do some other things, there still may be more to come. Miss Adams, you got anything to add to that? >> I would

055I would just say at this point we're not um I don't think we're going to bring any new new plans to, but our our job and our task is to carry out the reductions that you approved in December that we sent in. So, we'll keep up. We'll keep talking about it in our finance committee meetings. Um anything significant, we'll bring back here, but the discussion about what to do has been had. We have the plan now. We just need to figure it out. And um board president Cherry and I were just talking before before the meeting and and I think uh one of the largest another one of the largest school districts in the uh in the state just made a um just submitted some information to to the local media that they're going to

056have to reduce a $24 million since Cincinnati. since that. So, it's just not us, you know, it's just not us. And uh unfortunately, the people that it is affecting are >> and uh we, you know, we're looking at it from that perspective and trying to provide as much support as we can. >> All right, that's all I have. >> Any questions for Mr. Howard? Howard? Next on our agenda is the treasur comments. >> Um I would just like to say congratulations to all of the Westbrook Science Fair winners. It will be exciting to see um like Mrs. Cy said the projects that they come up with as they get older. Uh and hopefully, you know, they can take advantage of some of our course offerings at the middle and high school related to drones and

057things like that. Those may be helpful to them. I did receive a notification today that I wanted to share with you from the Ohio Auditor of State. Um, as you know, we have to have all schools have to have an audit once a year and you can either be audited by the Ohio Auditor of State or um an independent auditing firm because the the state can't handle all of the school districts. So they we are currently being our audits are conducted by Plattenburg and Associates which is an outside auditor but then they have to refer everything to the state and the state does a desk review of that and then they can certify that they accept it. So um this letter today just states a desk review of the audit report has been performed for

058Troutwood Madison City School District for the year ended June 30th 2025. Based on the desk review, this report is acceptable and requires no modifications. We will certify this audit report. So, um, this is a process that started for us in September. And so, this kind of shows us how long the audit process takes. It is, we got notice today that it will be approved and then hopefully soon we'll get the official certification that it's wrapped up. So, all is well um with our audit for the last year. And that's all I have. Thank you. That's >> right. Back to superintendent. >> Okay. Uh just a few things this evening. First, I want to make reference to the March update that I provided all of you at your at your desk. Reminding uh the board that

059the 23rd through the 27th is spring break for for our district. And um I will be taking a few days of vacation, the 20th, 23rd, 26th, and 27th. And um I think um you know, if Miss Adams is going to be taking any, she'll let you know. There are several meetings that um that I have. Uh we're excited about the um two meetings specifically. Kindergarten readiness summit uh this Friday at 8:30, I believe, starts at 8:30, 8 or 8:30. and then the uh Sinclair superintendent breakfast on the 12th at 8:30. So, uh just giving you a um you know, just a summary of some of the things that are going on here. Also, on the 13th, we have our um we have district PLC training for administrators at 8:30 over at Madison Madison Lakes. One

060uh note I do want to share with you that the high school black history program, the date has changed one more time. And it is now on the 11th. It's now on the 11th and that is going to be the last day. I put my foot down and said we're not going to be extending that anymore, but they they do believe that they'll be ready to go on the 11th. Couple other things uh in your in your folder. The next item is the board of education um identification summary. I need each of you guys to check that to make sure everything is okay. It identifies all of board members locations, addresses, etc. And then the committees that you are appointed to. So, please take a look at that and if it is uh if something

061needs to be addressed, just uh let myself and Miss Adams know or just mark it up on this form and then give it back to one of us and we'll make sure that gets updated. Couple of things. uh we're excited about going on in the um in the buildings. Uh Madison Park, Miss Gish, you'll be excited about this. Madison Park uh is going to be having a schoolwide anti-bullying day on the 17th in the gymnasium. There will be a uh a large assembly and then there will be four 45 minute presentations throughout the day that uh that talk about bullying and talk about you know how to identify bullying, define bullying, emphasize the importance of empathy, kindness and inclusion, provide students with the strategies to respond to bullying and seek help help and reinforce our

062school's anti-bullying policies and reporting procedures. So, uh, on the 17th, if you have an opportunity, I do not know who the presenter is, and I'll find out who's responsible for, uh, presenting all this information and I'll send you an email and share that with you, Miss Gus. Well, I'll share with everybody, everyone, but I wanted to make sure you guys were aware about that. And then something that we are really excited about, uh, if you look on the second um, look on the second document, it's an email form. Trial Madison City School District will be hosting Central State Day at Triwood Madison High School on Saturday, April 11th from 12 p.m. to 3 p.m. And this is a tentative time and date, but that is what we've identified initially. The event will be held in

063partnership with Central State and will be open to the entire community. The purpose of this event is to highlight all CSU has to offer while exposing our students, families, and visitors to many of the academic programs, extracurricular opportunities, and support services available at the university. Uh we'll have the cafeteria set up for college representatives, academic programs, student activity tables, uh the gymnasium for a band performance, and possibly other featured presentations. Um, this initiative is geared towards us reestablishing our partnership with Central State University and getting to a point we're sending 20, 30, 40 students to Central State every year. Um, we met myself and Mr. Navier met with Dr. Harris Harris Smith. Dr. Smith. He is the new director of admissions at Central State University and he was really really um excited and energized to

064reconnect with uh the students here at Triwood and try to get as many of our kids there as possible. um he told us directly that if kids have a 2.5 GPA, they get automatic acceptance and then if they've got a GPA higher, they will qualify for all types of scholarship opportunities. So, uh with this event, it's tentatively scheduled on the 11th. Our goal is to invite the community and invite uh I'm going to send it to some other local schools and let them know to bring their kids and their families if they are if they are interested in Central State and hopefully it will be um the rekindling of a of a strong partnership. uh years ago we had a really really strong partnership with Central State and you know as time has progressed and

065people have left and there's been a lot of turnover that kind of withered away. So uh Dr. Dr. Smith is really excited and with the uh the national treasurer here in our district for the alumni association, he has kind of uh really taken the lead uh for trying to make sure that um we get some of these kids uh that that are interested in Central or maybe not maybe not interested in and just need to see what it's about and then become interested. We're really excited about trying to get them to uh to connect with Central So, I know we got some Central State alums on the on the board. So, you probably need to wear your sweatshirt. I I won't give you a hard time if you don't have on your Triwood sweatshirt and

066we we'll put on your central sweatshirt. So, uh we'll keep you up to date. Uh we got a couple of weeks, several weeks before that tentatively is scheduled on the 11th and uh if that changes, I'll let you watch. >> Have we done any media releases? >> Not yet. We we we want to we want to make sure that that date is solid. >> Okay. >> And then once we solidify that date, >> then um we'll we'll we'll start out we'll start out >> we'll get some stuff out on Parent Square. We'll get some stuff out to the city. >> Uh we'll we'll work with Central to try to get get on the radio and outlet. >> Yeah, we'll do that. >> I have a question about the kindergarten readiness summit. Okay. >> So, that's

067on the 13th. >> No, on the 6th. >> Yep. Friday. It's tomorrow. >> It's tomorrow at 4:00. >> Mhm. >> And it's at Sinclair. And um I I'll be there for a brief time, but I know um there's some folks from curriculum going >> um some folks from curriculum. Uh, Miss Sper may be there. I need to I need to double check. But, uh, we we'll we'll definitely have a team. >> Oh, so it's at St. Clair, >> huh? >> You said it's at St. Clair. >> Yes, it is at St. Clair. Miss Murdoch, I know Miss Bird told me. >> Yeah, Miss Miss Bird and Dr. I know Miss Bird told me. And uh lastly, as we're moving along, I did get an opportunity to see a um a couple of the Black History

068programs. I went to Westbrooks. Westbrooks was awesome. Um I got a chance to stick my head in the middle school. I missed the ELC's because I um I had a a meeting scheduled downtown, so I was trying to rush back, but by the time I uh I got back, it was uh it was over. But I heard the program was great, but the traffic was terrible because, you know, when you have a program at the ELC, the whole world, aunts, uncles, cousins, everybody's going to come and show up. So, that's something that we got to work on uh with regards to uh controlling the traffic pattern. Got to stick my head in the like I said, the middle schools and then uh we're anticipating closing out with the uh with the high school on the

06911th. So, just wanted to give you guys an update on that. And then the last thing is this Saturday, our boys will be participating boys varsity basketball team in the district championship 11:00 at UD Arena playing uh Goan High School. And if they win the district championship, when they win, the district championship, >> they will be um two games away from the final four in the state. And then we also have uh one wrestler, Chandler. Two wrestlers, Chandler Moore and you know the other young guy. Is it Zyo? Yeah, Chandler Moore and I don't know how to pronounce this person. What's it? >> Jeriah Zyo have qualified for the district finals for wrestling. Chandler is a heavyweight and Zyo I think is a 130 something like that. 140 I believe. So, still got kids participating

070in postseason and and we hope to uh hope to farewell on Friday maybe a little early for some of us on I mean not Friday or Saturday but 11:00 Saturday and that's all I have. Thank you Howard for being so detailed. Next board comments and we will start with Miss Erica G. Thank you, Mr. Howard, uh, for all of your work. Um, I also would like to give a shout out to Officer Derek for his work with the team mental health summit. Um, and to all our athletes and our students that showed up there, uh, who really made an honest effort to prioritize their mental health. It definitely was, uh, it was a good experience. It was great to hear the feedback from the children, um, and even from the parents. They definitely enjoyed the

071experience. Um, the next thing is of course I love the science fair presentation from Westbrook. So, thank you for that. Um, as well as the presentation at the middle school, the Black History Month. It it was so much detail. The kids did so good. And I just love to see um our district doing such great work in the community um and really serving our children in the way that they desire to be served. Um, and again, I I definitely love this work coming out of Madison Park for the full anti-bullying day cuz uh, school safety is a necessity here. So, that's all I have to say. Thank you, Mrs. Sturrington. First off, I always like to acknowledge who's in the room. So, um, hello you all. Thank you for staying late. I appreciate it. Um,

072and I would like to concur with what Miss Giz said about the anti about the u mental health summit. I had a chance to attend with a group of students um and they really enjoyed it. So it was amazing. It was um educational and what she forgot to admit is that she was a panelist and she presented and did a fabulous job. So congratulations to you too on that. And um I'm just excited about the games coming up. The science projects are always amazing from Westbrook and it's always so glad to see Miss Kazzy and Miss Harden be so amped up about their students and you could see how you could see their zeal and that they love to impart in students. So I'm really happy about that. Go Rams. um they're going to win

073this Saturday and congratulations to all of our student athletes who are doing amazing things and our students period. So that's all I have Mr. Lumpin. >> Yeah. The other part about the mental health summit is it wasn't just Charwood Madison students. There were students from all over the area that came into Charlewood to participate in that. I know my nephew um participated in it and really appreciated being able to be open about some of the things that that he goes through and everything and I thought I think that that's that's really important and congratulations to you and officer Derek for such a impactful event. The science fair projects I just hate that I'm like in and out of town. I don't get to go be the judge like I'd like to be. But the students

074always show us just the importance of being able to have people around them that care about their development and also the fact that education is free, right? So when you start talking about the kind of impact that people like Miss Harden and all of our principles and all of our teachers are having on students and some of the things that we're having to deal with, we have to continue to highlight that they're doing it in an environment where they're under massive amounts of attacks where some of the things that they can't control are going to increase class sizes. So, just understand that we're with you and and we're in this fight with you like like until the end until we until we can't fight for it anymore. Um, of course, good luck to the the

075basketball team this weekend against Goan. Good luck to our two wrestlers and u just and thank you to everybody that's working with our students. I saw some of our bus drivers. Uh, I was giving coffee the other day and they were just talking about, you know, just our students in general and just having a good laugh. Just being able to see the community like that is a really refreshing thing. >> Well said. Thank you, Mr. and I, too concur with all of my board members. Um, all of the board members, let me say that. Um, I just want to say, um, I appreciate the dedicated staff. Um, it it's tough right now. I want to make mention that nothing is personal. Um, in our reduction plan, um, the things that we had to do, the

076reduction of force, nothing is personal, and I would hope that no one takes it personal. our backs are hurt, but Mr. Wall, our hands were tied. And um so I want to thank um our treasurer and Mr. Howard for doing um an amazing job with conducting um the reduction in force and like I said, it's nothing personal. Um the dedicated staff, thank you so very much. Um congratulations to um Mrs. guess for being a panelist for their mental health and I do think that that is very very important. Um I like the fact that kids do have that opportunity to express themselves and not be judged um by some of the things that they are um they're going through. I always say that you know kids can't help where they live. They can't help like

077the situations that they are in. So, I am glad to know that, you know, we have resources to assist them. Um, I can't say enough about the the the the projects. I learned some things. I'm just going to tell you. And I learned some things from the project that was submitted and also like from the drones um the competitions. I'm I'm learning myself. So, um thank you Mrs. Harden for your hard work and your dedication. Um in reference to the ELC Black History program, Mr. Howard, we can get that traffic under control. But I want to thank the the family and extended families and the participation for coming out. Um, that's what that's what we need. >> That's what we need. It was packed out. >> That's what I'm excited about the kindergarten uh readiness

078summit also. So, can you keep us >> I will informed on that. U congratulations to the wrestlers and um rooting for the Rams on Saturday. Um, again, thank you all for everything that you do. >> If if I can, I know I'm out of order, but if if I can, I'd like to make reference to the U to the summit, and I would have done it earlier if he was here, but um, Officer Derek, I had no idea the I mean, just the the the the trials that he went through uh with with his accident. It's amazing that that man is still alive. >> And when he was telling his story and showing those pictures and you know, you had folks down there, the eyes start welling up. His wife was crying. One of the

079officers was crying. And I was like, whoa. But you just you just don't know cuz you see him walking in here. You know, I call him a big old teddy bear because, you know, he he got that griff look sometimes, but as soon as you see him start talking to him, he starts smiling. But um you know mental health is is is important to him because what he was going through uh during the during that time, what his wife was going through, what his family was going through, you know, it said it had he he said it had him in a real deep dark place and he was able to pull out. But the pictures that he showed and you know his his scalpula being split. I I I just couldn't imagine imagine what he

080what he went through and he shared that story and you could hear a pin drop and those kids were attentive and they were listening and for him to champion that and have Miss Giz, you know, and and some of the other vendors there, you know, people cannot say we are not trying to do everything we can in this community to help folks. >> It was it was there was a really good group of panelists with um different aspects on different things. Um, you had uh Mr. Green there, Dion Green, whose father was killed in the Oregon District shooting. For him to tell his story, I mean, it was it was very impactful. I sat in I think three sessions. Like I said, I I work part time at a time. So, I took a group

081of kids and when we left, they were I mean, they had so much to talk about >> and it was it was it was a really good thing. So when he gets here next time, if we come back, we're going to make sure we we acknowledge him >> and and surprise him. You know, he may try to arrest me or something. He killed >> and it was a total of 374 people in the building. It was a pack house. >> It was a pack house. >> And he and he cooked and had got everything together for lunch and we we'll cook something. He may not cook at all, but he he he's really passionate about that work and and and we're we're lucky to have him. And we're lucky to have you now that you're

082that you're here, too. We appreciate that. >> Is that going to be an annual? >> It is annual. This is the third year. That was the third. This is the third year. >> And in September, he does the parent summit. So, it'll be the summit. Same type of information, but I also I I cannot leave without saying how proud I am for the April 11th day. I am an alumni of Central State University and I am proud to finish today. >> April the 11th stop >> tentatively. April the 11th. >> Yes. >> That's Oh, no. That's amazing. That really is amazing. >> Thank you, Mr. Native. Yes, Mr. Native. Thank you. Okay. If nothing else, I need a motion to enter into executive session to consider the appointment, employment, dismissal, discipline, promotion, demotion, or compensation

083of a public employee or official or the investigation of charges or complaints against a public employee official license or regulated individual per BOE policy 10 0166 and RC12.22 22 G1 action may be taken. I second. It's been moved and second. Mrs. Adamo. >> Yes. Mrs. Currington. >> Yes. >> Mrs. G. Yes. >> Mr. Lumpkin. >> Yes. >> Mrs. Cherry. >> Yes. Motion passes. We will enter into executive session at 652.
