001feel free if those are parents here to watch the children when they come in um jay and i will move that way and then they can just stand here and hear that here and see their children is that all right does that work okay awesome all right we'll we'll try to get to it quickly i know we've got a packed house tonight this is awesome so welcome everybody to the to the springs uh board of education meeting for uh for april um [Music] rios here okay here and playing here magnus here turner here we have a quorum all right so i'm assuming 1.2 is just uh yeah gotcha all right so we can go ball a second all right all right turner yes yes okay yes yes magnus yes motion pass five to zero all
002right so we'd just like to thank everybody who's here i know we've got uh some exciting presentations on the way for most most of you and uh for those who might be watching at home later or watching at home or pulling up uh we'll move on to two which are communication presentations reports okay perfect we'll move on to community comments we have a few folks who would like to speak i'll just uh come off in order that they they work the main channel so yeah it's fine okay okay uh mary robinette signing the wrong cheese gotcha perfect today all right we have a tanker excellent we'll not afford that so i'm john day and i'm here representing school forest one of our long time clubs at the high school we've had two amazing years in
003school for us incredible um school for us festivals and sales but for two years we haven't been able to take our trip that we've been taking in school for us at the end of the year ever since the 1970s and we had a plan this year to go to red river gorge where we've gone to many times before in kentucky it's beautiful kids love it and so later on in this meeting you're going to be seeing a proposal for that and i'm just here to speak uh and uh i hope you uh hope you approve it because it's great for the kids and uh uh it's a wonderful thing to bring back oh my god thank you thank you all right so i think we've exhausted our list um we'll move on to 2.3 yeah
004we're going to move down here if you guys want to come in to see your children and then we'll let them do it and they can there's other chairs [Laughter] feel free to take our seats all right hi i'm kenneth sanford i'm the sixth grade language arts and social studies teacher i'm julia anspla i'm a sixth grade math and science teacher and this was the first i'm sorry yes and this is the first collaborative project that we've done across curriculum we did english language arts and i did a little bit of social studies and then she did math and so we're really excited to show what the students have been working on really hard since before spring break i think it was even even earlier than that so they put a lot of hard work
005into it so we'll let them get to it students just reminders step up to the front of the table when you're speaking right there yeah [Music] is this correct is that the first one yes hello we are from miss sanford's homeroom for ela and social studies and this is our presentation composting and other ways to reduce sweetness i'm lyla crockett we have a fourth member eloise but she couldn't be here today this is how no son's waste is affecting the environment the food the school wastes produces greenhouse gases for gases which further progresses hormone pain when the school feels away from if it doesn't need to be thrown away it continues to communicate when school wasted it adds to wrinkles and then freeways add skeletals it does continue to progress climate change [Music] one of
006the gardeners during this morning are expensive fertilizers pesticides water and location and the accomplished removing that money looks good and interrupting the process when the compost needs to invest money in your garbage surface bills because you are not throwing away as much fruit you can save around one thousand eight hundred six six dollars every year says that that is the amount that the average u.s household is per year [Music] i said why don't you guys stand a little bit in front of the apple so that you can read them and speak [Music] foreign is compostable items vegetables carpool milk cartons fruits except for citrus fruits like oranges or pineapples breads some breads like the processed ones like the hawaiian rolls that you buy from your supermarket egg shells wrapped in the paper towels as long
007as there's nothing on them isn't closable like grease paper plates and nutshells are also compostable now for those these include meat dairy bones and citrus fruits other ways you can reduce food waste minimize the amount of food you get at restaurants charge people for their food waste that south korea does could be unused canned or non-perishable food that you have to shelter your food country buy less food or don't buy food involved if you're not going to eat it have a day where you only eat leftovers instead of making a new meal and throwing out the cupcakers look over your grocery receipt and check when you throw it away that way you see what not to buy or to buy less of next time sometimes they're composting on those lines no longer accomplishments [Music] pounds
008of food that could have been composted what we're going to do is we're getting animals and our contacts and organs we just try to look for the food waste and stop periodically to do anything we can we need to contrast the spot solution this is why thompson is recording those laundry this probably will work and this is our workshop [Applause] so come on garden around this white owls so we have um pamphlets that we made we don't have very many so they just have qr codes for a couple of like additional things that you did so um i guess we just put it on the table so this is our composting project i'm sorry um [Music] but maybe we can leave it on the on the agenda for people to watch the let's do that
009because it's a really good figure okay creepy [Music] thunderbird at least our goal is our mission our goal is to successfully start a composting program at the school we are teaming with a grade who will come and pick up the compost that we collect during lunch our hope is to have the future sixth graders run the program year after year now we are going to collect the compost we will collect the compost and trash cans with clear labels that they are for composting we will need one collection container for the media center and two for the cafeteria they will be in the media center in the cafeteria where the normal trash cans are we will put the trash cans in the cafeteria at about 10 30 and the media center trash can will be put
010out at 11. the trash cans from the cafeteria will be removed at about 12 10. the trash cans from the media center will be removed at about 11 50. how we are going to store the compost uh we would use large plastic bins with lids with trash bags in them we would like to keep the bins in the shed by the tennis courts but if this doesn't work we can keep it by the greenhouse near the sixth grade rooms the storage containers will be emptied every monday wednesday friday by agraria and we will communicate to agraria how many bins of compost we will have so they are prepared we will help when younger students are contesting we will be presenting our education projects from ela like the one you saw before to every age group
011we will create posters that say what can and cannot be conquested you'll also create posters that say what can be conflicted from the lunch menu specifically we will make one of these posters per month that shows the lunch menu for the entire month volunteer lunch monitors will make sure students are putting their food in the correct trap in the correct trash can we will have posters located on the wall behind the trash cans in the cafeteria in the media center the posters will be attached to attractions what tools will use to educate your students about how to compost how will the teacher understand this by protesting we will be presenting on composting educational projects from the center for its class all age groups a poster that shows all the lunch menu items for the month
012of the display the poster will highlight the items that can and cannot be posted the volunteer lunch monument will ensure that younger students are professor perfect how will keep the program running we will create a video that shows the fifth graders how we run our composting program and we will create a notebook that gives written instructions like a manual on how to run it when what not here to be used for reference we'll also allow fifth grade volunteers to practice at the end of the school year so that they are ready for next year we will acquire the 5th grade volunteers for next year by having a volunteer sign up sheet starting at the end of the year and the future 6th grade student council will maintain the volunteer list for the following year [Applause]
013why am i clapping so the video worked for me but i'm using the same view you just plug in a monitor [Music] there we go [Music] so these are our videos and we also have like on the side of some of them definitions that you can click on to like get a definition for each of the words um this is the slideshow oh is it yeah this is uh the original one maybe oh yeah this is the best part of the night [Music] one [Music] so [Music] back [Music] so [Music] do [Music] oh [Applause] materials and other materials um and greenhouse gases that um make global warming and climate change happen faster and like icebergs are melting and getting this one is just explaining um how not composted or wasted um costs a lot of
014money um because lots of people spend money on food if they don't end up eating and then there are just lots of comps um this just provides steps on how to compose and sort of a little bit more wide compost [Music] oh [Music] yes [Music] [Applause] now yes [Laughter] any questions uh so you guys are in sixth grade or are you guys gonna bring this program to the uh you know the middle school high school when is it starting um hopefully by the end of the year okay so what what obstacles are in our way materials yeah materials and money they understood being lazy is that it yeah yes we were hoping we selected traffic in our thing on our plan so that we could hopefully use spare ones that maybe we're not using and
015not have to buy expertise i would suggest that you submit a very short proposal to the treasurer at home not me i did we do i started composting after watching all this yeah and i want to make one comment on the brochures that you see on the table there's qr codes that go to all the videos that we skip today so you can still see all the videos that all the different weeks worked on but the individuals in that we've worked on so if we because we skipped a couple today and i know that's hard when they work on it and we they might not work i know you talked about having the signs matching up with the monthly lunch menu i would say an assigned that's a general guide so we don't have to
016reprint signs every month because that would add to the waste in the environment as well so when you're making your signage that that's my recommendation and i really enjoyed your presentation and i think this is awesome [Applause] thank you thank you so much all right so we realize the rest of this beauty will not be as thrilling all right i guess we're uh that's the end of two three so we'll move on to two point four is our position report so i'm i'm marianne mcqueen i'm the village council representative for environment and this was very inspiring and i actually will see if the teachers would like to have a little booth at our earth day table which will be on the 24th at the fire station and waist i'm sliding on copy just a minute
017because it's related you may know that we've been working on a climate action and sustainability plan we will be coming out with some more information about that in the summer but one of the domains is waste so this is very exciting and hopefully the village will start to win composting we started talking about that as a village right as a village-wise thing for people who want to be involved but i'm here to talk about active transportation so we have restarted an active transportation advisory committee at the village i think that a couple iterations before i'm very hopeful that this will be an ongoing thing and active transportation means walking biking and people who might use mobility devices like wheelchairs motorized sculptures so we have had one meeting and we're going to have a meeting next
018week and i wanted one to let the school community know that we'll be working on this so that you can have input into it for example the safe routes to school sidewalk is part of that transportation plan we're going to be looking at the active transportation plan prioritizing projects and having input from people children parents teachers any kind of things that you problems that you see or opportunities that you see and i'd love to have someone from the schools be a representative on the committee i reached out to eli horowitz and we'll talk with him i don't know whether that will work out or not but they're saying he bikes maybe there's someone else maybe there are some children or high school students but i wanted you all to know that we're doing this so
019maybe someone on some street recognizes that it's not good for bikes and we want to do something on bikes we have some people that are very concerned about sidewalks and um how to make sidewalks more easily trans verbal or usable move on so that's it i don't know if you have any questions but i wanted you all to know this sort of especially when is the meeting next week tuesday at 10 o'clock and we're meeting in the village building on the second floor in the conference room so yeah and you're you're thinking to try to get the school community involved in terms of thinking about well you know there may be particular situations in town that are not safe and especially not safe for kids especially hiking for example so getting that input you know
020so that we we're going to be identifying projects for this year also there may be activities like could we have more children like to school or walk to school if there were certain changes if there were bike routes identified for example or if there were if there were groups of children or children or parents who wanted to one day a week or whatever or one day a year only use that transportation school the more clearly the more our children and adults can use active transportation uh it's healthy it's cheaper and it doesn't pollute them so so yeah we're we're just open for just getting started now so any ideas and i would love it for some projects that have come out at school i mean i know there's the trip that you go down uh
021to loveland or around the area into the wild um the difficulty with planning ahead is the weather because i bike to school with my kids but it's really dependent on the weather people can have rain cold or lightning so that's the difficulty that i see in planning some reference activities for the schools yeah for many years we had the bike to school day um at mills long i think that's still happening right we have the bike hikes um for 34th grade that are coming up in may is that the damn caribbean yesterday yeah there's there's no improper weather only improper gear most kind of is so any anything else you know this is something to think about kind of long term is that some school districts are thinking about i would say instead of a
022worldwide buses they are now making um if you can afford one electric buses i would say that would be the direction because um you know we do have children in the township and it's far and knows you know 343 is that 55 mile an hour i had a 45 minute crash grinding with us to school you know every day so you know i feel that i feel that i'm so busy yeah but you know it's there's still some there's still some thoughts about that out there yeah well we're thinking about having an electric fleet is uh definitely um foreign that's a hybrid police yeah the village though okay well i do have one last question about the village transportation plan does it include uh people that want to talk about the need for a speed
023radar on specific streets that are quickly is that is that included in that round that would be all right yeah i think that that would be reasonable because the reason why you're concerned about that probably is impacting pedestrians or people on bicycles yeah okay all right i'll let you continue thank you that's not going to be as interesting all right so that was 2.4 so we'll move on to 2.5 our administrative requests um i just have three things to share with you they're pretty brief the first one is just a follow-up about um what's called the expert and it stands for screening brief intervention this was a collaboration with green county esc this winter at the middle school and high school the shannon morano worked really hard to do a lot of extra coordination with
024jack and joe's support to have the eoc personnel come in and do a brief screening with all of the kids this was a universal screening parents could opt out but most did not it basically looked at looked at tags or markers for substance abuse or substance abuse potential of course you know substance abuse is co-morbid with depression and anxiety so the idea was to screen all the kids anyone that would show any tendencies or markers for these um would be able to get a brief intervention or get referral packets for treatment um and parents were all the parents got the results and information that was based on their child's results um have some kids go through a four-class intervention there at school um just going over coping skills just awareness basically prevention so this was
025all targeted at prevention and early before problems happen so i just thought that was a wonderful program this actual screening is endorsed by the us department of health and human services substance abuse and mental health so i thought that was a wonderful program it was a pilot this year but you know i'm sure you know for prevention purposes um the second thing i wanted to share is just that we are doing a whole grade gifted screening this we are required to do whole grain gifted screenings by the state um in two different grade bands this will be our second one this year for our second graders the previous one was for fifth grade and we're using a new test it's called the negativity nonverbal abilities test the nice thing about this for younger kids it
026only takes 30 minutes online it is a non-verbal test of thinking of reasoning skills it's a well-known by well-known maker jack neglieri who's made other cognitive tests and it is culture free because it is a non-verbal thinking and reasoning test so there's no verbal directions or pictorial and there's no written language so it's also helpful for any of our esl kids but it also helps to get culture free um and without having some of the bias that kind of comes up with ability that will be happening uh if it's may 4th and then the last thing is we are going to be talking um right now under construction is the plan for summer school where typically our summer school is using school data to target students who would need a little extra intervention for reading
027literacy or math and we are going back to that traditional format so we're going to be looking at those kids to put together our summer program so that information should be coming soon so in reading and literacy does that include writing the main focus is usually reading um but along with that you know you're going to get the style and the writing is um that writing skills um [Music] a question about the summer program so if i remember last year they were extracurricular activities i think they were art classes and tennis and maybe music so we're going back to um a program that is to support students that need additional help right i think the main focus is going to be what we've traditionally done was look at our data and extend an invitation to
028anybody that would need some extra support and so far that's what we've talked about we haven't fully discussed all the details but i i don't i think we're going to look at that as our main focus for resources that we have [Music] okay i don't have too much because i knew that the sixth grade students um had their presentation but i do have on here um our exhibition nights those are going to be held on april 27th and april 28th from 6 to 7 30. we have kindergarten through third grade on april 27 and fourth through sixth grade on april 28th that will be held here at mills lawn it's open to mills lawn families and community members and they are just excited as you could see earlier to show what they have been working
029on throughout the school year so i also have a list of the projects that will be presented on wednesday and thursday there for everyone to reference if they are coming our second grade class went to glen helen and that was part of their project-based learning project and they were just excited to get out of the traditional classroom setting and go over to the glenn and get to see the dam over there and talk talk about what they've been learning in class and actually getting to see it in the environment and then i do have a list of upcoming events for mills lawn and those include um the talent show which is next thursday night at 6 00 p.m and i think i think uh miss mike cell just said that we are up to 38
030or 39 acts next um thursday night so we might need to get our sleeping bags and just stay here and then the next week we do have exhibition nights and then we do have the dan kerrigan memorial bike hike set is for our fourth grade on may 11 and our third grade on may 12th our annual field day is back i'm sure that mrs hawker will want some volunteers for that event it's going to be held on tuesday may 24th and then that evening will be our sixth grade promotion ceremony held in the mills lawn gymnasium and then of course the last day of school on may 26th thank you so much lots of things are going on right now it's it's a busy time of year all right uh the first thing that i
031want to talk about um this year we joined or this year we joined the league of innovative schools um it's a nationwide network of schools um and by being a member of school we're we have opportunities to look uh dr holden and i went to the spring convening there's a fall from meeting but then there's also stuff throughout the year that our school has access to and our students have access to one of them that we learned about just before spring break is the c summit students for equitable education it's an online professional development workshop for educators that's completely created and run by students so um marlon styles the superintendent at middletown and um julie mitchell is a superintendent out of california they are the two superintendents who are kind of overseeing it but we
032have five students participating um covering topics around race lgbtq plus gender mental health kind of a whole spectrum there will be 10 different breakout sessions um last year they had 500 attendees and this year they're hoping to double that so that the actual summit is on may 14th from 11 a.m to 3 p.m it's completely free it's open to educators parents community members anybody who wants to attend and and it's really an opportunity for the students to have voices to share their stories so that's that's kind of the theme of the summit so um hopefully we can have many people from our school community and broader community join and see our students there the second thing is the yellow springs high school athletic hall of fame i just want to thank our athletic boosters so
033i know these these volunteer organizations put in so much time and energy um that sometimes doesn't get acknowledged the way it should um we started our athletic boosters probably uh maybe in 2015 or so and some of the original members are still there even though their children have graduated and are gone still volunteering at athletic events still working concessions and and most recently we had our third induction for our hall of fame um we had it in the south gym at the wellness center at antioch we inducted 10 more members so now we have 30 inductees total we had nine athletes and a coach inducted this time another new twist so in the past um the all the attendees just got up and got their own food it was always a caterer thing but you
034got your own food this year the athletic boosters brought in current student athletes um and the current student athletes actually served all of the inductees and their families um and then they got to enjoy the richness of the storytelling that is part of this evening where um each inductee is introduced by somebody and then um that that's it's like a celebration of that person's high school career and many people it's their college career and their life legacy um so to get here kind of people be celebrated because oftentimes we have student athletes in high school who do great things and nobody ever takes a step back and really formally acknowledges them so this hall of fame induction is like the formal acknowledgement and saying thank you for the contributions to the school and community um
035and for many of the inductees just hear them talk about the validation and how they're bulldogs for life and the pride in the community and the camaraderie and talking about how the village helped raise them not just their parents and how the coaches had such an impact on the teachers just a really amazing evening um it's it's when i went to the first one the first one was at aun i walked away feeling like it was my best most enjoyable evening in education just because you've got that sense of community and each each induction has really been the same so um they're planning already the induction for the 2023 class the first three classes they inducted 10 members each just to try to catch up because we were really far behind and now they're going
036to be inducting five members for each class moving forward so if you get an opportunity in 2023 it's a really great evening and then the last piece is really just capturing the busyness of the spring um so we um like mills lawn have a lot of events coming up and i'm happy to say we are we have brought back everything um from creep pandemic so so there's nothing that that we canceled in the past that is canceled everything is back um we're also using the pandemic as an opportunity to look at how we're doing things so for the most part a lot of the stuff's going to move forward the same way so shrek the musical is going to be back or it's going to be at the robuston center at central state that's the
037first weekend in may the following weekend we have prom and then we also we have national honor society inductions those will be held in person um as normal on may 4th and then the one thing that's changing we've we in the past have done our high school award ceremony during the school day um we are going to move that to the evening and have it be a more formal event where families can attend so in the past it was during the day and it was hard for families to take off work and come and celebrate their students this year we are moving it to the evening so that families can attend this is where all the local scholarships get announced um uh different academic awards that students earn during their high school careers and something
038that families should be there for so so we actually did not we did it digitally the last two years and this year we're going to do it in person in the evening so i'm pretty excited about that and then um the last thing is graduation so graduation will be held on the traditional thursday the seniors overwhelmingly want to have it outdoors so we finally came to the thursday in the gym and and so it will be outdoors we are going to do it on the soccer field this year um because the track construction is done we're going to make sure we keep everything off the track but we are going to use the lights of the soccer field um it was a bit dark at the end when it was time for people to leave
039um so we're gonna the kids still want to do the parade so we're gonna do the parade and then we're gonna have the ceremony on the field the one thing that's different from this year compared to the last two years is we don't have such a strong obligation to have it outdoors at this point so if if there is inclement weather we are going to keep it on the same night and move it into the gym but right now the plan is for it to be out on the soccer field so very excited about that wear boots with your seats that's what you're saying well hopefully it'll be dry the fluid is dry fantastic well that's really any questions all right so uh moving on to 2.6 mr queen hello my name is steve mcqueen
040i'm the vice president of the uh board uh at the career center green county career center and uh all right this week we had something called peer-to-peer with teacher sydney mars and a representative of the esc patty gerrier i believe is how you pronounce that and so if we can go to the next slide because this is mainly the whole purpose of peer-to-peer is to it's a class it's uh one year at a time up to 22 students so they actually do have to turn away but it's turn away students but students do volunteer to do this and they have students who are normally not comfortable with things like connectivity social norms social skills different things like that to come and learn and gain these skills and so uh we had a representation i believe
041it was eight students out of the 22 come and sort of give their um uh the how the class has been for them and uh it's uh basically major changes the teachers just like you know they do things like uh actually best thing to do would be what i wrote down so this way um so they do things like add field trips and they go to each other's schools because there's a lot of stereotypes about each other's schools so if you hear yellow springs your fears here though there are certain things that pop into your head so you have the kids go to events sporting events other events at other people's schools so they can actually see for themselves uh exactly how those like how they interact and how their other students are and not
042just the ones at the career center and uh they also have a mock prom because most of the kids said they wouldn't go to prom and so if we get our next slide up they have a mock prom right there at the school in which they get extremely dressed up and they did a full like you know complete prom or dancing uh social interactions a lot of it was about social interacting and helping them and most of them said they are now going to go to the career center's prom at least and maybe even their old school prom uh all of them said that this was a massive change in their life uh some of you may recognize their way to get a assuming but that is uh who is that says harper yes that
043is harper uh who is the culinary arts and out of yellow springs the only old springs uh remembered there uh but yeah i wanted to make sure corner our yellow springs representatives uh so last night this guy his name was carlos he started speaking and he was telling his story and talking about the class and the teacher started crying and after he finished speaking she had to let us know that like if you would have seen him in september uh this this is a massive massive change for him to get up and actually volunteer to come and speak and he was quiet but he didn't acknowledge everything that was there so of course we were super proud of him i do have a picture of the representatives from last night right oh yeah um yes
044so this is them during the presentation yeah there's carlos darrell on the end um and not only his story but one of our school board members knows this guy uh sam and he's a triplets they have two sets of triplets graduating this year but it's like the odds that's nuts but anyway and she said he's the shy's brother he stands in the back doesn't say anything so she herself also was flabbergasted to see him out talking socializing since he's never seen it and was just blown away um so there's two confirmation that this is something that really works and the teachers are really proud and and so are we and so they wanted us to know about this program and uh how often this happens um it is juniors and seniors but it is just
045the one year and you can do it again the next year usually to help juniors get more familiar with being at the school all right and uh so beyond that i just wanted to talk about that one going to uh some other business there is construction happening at the building people want to know uh they're adding asphalt over behind the auto um the auto shop because they didn't build enough for cars to actually pull in so they had to pull it through another section and then drive over so a lot of that construction is taking care of that as well as some training issues that we're now finding out with all the new but and we had a gas leak it is true i was very unfortunate we found out exactly why uh just the
046piping uh was too short they were able to fix it we turned it off the biggest problem is we had the ventilators took it out but we also have a fan that brings air in so they went throughout the building it made it appear much worse than it actually was um but the gas was turned off it wasn't even tested until all these students have gone but it is absolutely fixed and uh we don't expect any problems with that any longer and our student recognition is on the 24th of may we can't call it graduation if the students don't graduate from the career center uh they're just recognized for their certifications but they all graduate from their home schools so that's why it's the student recognition and that's on may 24th and that concludes my
047report are there any questions oh yeah six o'clock that's a good that's a really good thing to know six o'clock tuesday may 24th [Music] mr hatter for myself i know it's on the third center it's hard to find three days and lately that don't conflict with something else yeah does it include events um people like it generally i bet it doesn't but you know what we can easily kind of correct that yeah the website will have all of that this class and i hope that all right i forgot to mix in the home school uh this was super helpful for him because right that this was his first experience or going to the career center is going to school so he also was a major uh yeah zero to sixty sort of 180 change as
048well and he was really appreciative of the class right yeah yeah i i got to attend rochester institute of technology and you know the parallel between hard of hearing and um and autistic folks is really nice and so i'm glad that they're it really does when people give you the expression you know and they get to practice the scripts they're really just it's open source all actually three but the third person [Music] oh i'm wrong so i'm thinking of um travis thompson who i think is our outdoor neighbors personally he's not here because he was mowing this jack has two introductions i'll let you make them to two new staff members sure so the first one sitting here is eli ramsey so eli will be our new uh 9th and 11th grade english language arts
049teacher this year we attended we attended the dayton area job fair and i met eli there and actually eli's graduated from malone university and kind of hit it off because megan had a former student at malone and and we all started talking and he walked away and like looked at each other and she's like you gotta get that guy replacing eli hurwitz in the english 11 english 9 classroom super excited to have him he uh he came in he was able to join us today for a couple hours tour the building meet some of the teachers and meet some new students it was super well received by everyone we're looking forward to having him with us the second one who's not here today is julie gunn kind of the same story it was right at
050the end of the job fair she was she came over to our table met her she's up in wadsworth she's working at wattsburgh schools up in the cleveland area right now and she's relocating to the dayton area um this summer and um she uh she will be joining i believe the board meeting in june when she moves down here um but she came to education as a second career i've been a counselor for around seven years or so um and and we're actually looking pinned holistically at the 712 counseling and really trying to look at the skill set of julie plus shana murano who'll be our other full-time counselor and trying to really maximize their skills so traditionally in the past dave smith has done 11 12 really focusing on the college aspect and shannon
051has done more of the mental health counseling and support as far as that goes but we're really trying to to look at those traditions and see what needs to go and how to best use our people but julie again um kind of the same story as soon as we met her we um really tried to get going with that hiring process and we're excited to have her aboard as well we're excited to have from both eli and julie at the middle school high school in board finally you will be approving tonight a communications and pr coordinator for the district and that is currently he's here tonight but i've had the pleasure of working with her for eight years at networks so her work speaks for itself she doesn't know it but [Music] so i would
052like to welcome you i mean [Music] do i ever be able to say anything i'd love to is that okay first of all i just want to thank you for this opportunity um it was you know i respect dr holden quite a bit and we've worked together before and i am so excited about yellow springs um i'm excited to learn a lot i know every time i've told someone i'm transitioning here there's pretty much a patent answer which is you're so lucky that is my favorite place so i'm so excited to get to get to know the community and um i've been in education for the last eight years and i'm just excited to bring my skill set and experience and to be able to support our administrators and staff and our students and communities
053so thank you so much and as always i guess i'll say something to you i i don't have too much to say but um yeah it was nice to meet the students today and some of the faculty i just want to thank you guys for the opportunity to be here today to include me and everything you guys are doing um this will be my first job coming out of college i graduated may so i'm really excited to bring my skill set to your best team thank you you're welcome enjoy that sunset um um so this is the march financial report um you skipped my color picture i actually like it you know one of the things that uh i never had anything like this at greenville and this is one of the things i kind
054of enjoyed these i always say i i'm putting my pictures in these that's right yeah she's not copyrighted or anything and they usually come from you know the seasons of my yard so yeah so i appreciate that artistic opportunity [Music] it has been a busy month for me so um congratulations thank you are there any questions about i know this was this is sort of last minute there's no real highlights we received the last of our properties taxes um i guess we'll we'll go through it yeah um i don't have any highlights from the first one going to scroll down there a little bit one of the things that i thought was point out is that the big discrepancy on the property taxes between the budget and the actual um if you're just last month
055we were way above on property taxes and so the budget and actually it's really the difference between our advances and then what that's what we received our advances last month the advances were more than what we budgeted for and then we received our actual and it is less than what we budgeted for but that's because we budgeted it for less advances so that's sort of the discrepancy there between last month and this month um but they actually came in a little bit projecting um [Music] and um i just do not have any you know no big highlights here um unless there's there's questions but i will say yeah i've been very busy this month so if there's questions i may say that i need to get back so any questions comments concerns you answer the
056question that i have okay okay um one thing that i want to point out about financials and this this actually comes from today's paper if anybody got to read today's paper um there is the section about property taxes and if any of the public is listening um there is some information on there that made the front page i was really happy to make the front page and then uh we talked about what we are collecting in property texas we are not collecting 64 mills we are collecting 34 mills so this is where the property taxes are incredibly complex and hard to understand i i go through them all the time and double and triple check my answers because it is everywhere so we have about 66 voted and inside mills which is where the 60
057number comes from but we are collecting 34 mills that's our effective millage for residential and we're collecting 39 mils on industrial in agriculture um not agriculture agriculture throughout the competitive platform industrial commercial we're collecting 39 years so i will be working with the paper and we will get that corrected next week um that are presented in the relationship report but i wanted to ask because i think this is where you'll have an expertise in should we keep that tibetan the agenda for 8.3 or should we talk about it now i think it'll be okay right so moving on to item 4 adoption challenge on the financial side um [Music] all right okay so there's only one item today um and that is a student activity budget and purpose statement for the class of 2023. um
058i got this uh earlier this week and we wanted to get it approved because this is how we pay for prom so um they got that into us and that's why it's on here um i noticed i i talked about and i sent you guys a late email today i'm gonna talk about maybe changing some appropriations i'm just gonna save those for next month because um it's not essential for a function this month we have enough money to budget it but i will explain those budget changes did the school forest budget is that in this too or is that no they have their own budget on purpose okay i just wasn't sure okay they're similar to both 200 funds so student activity funds where you know student-led groups um that's they all follow the same
059sort of big budget as far as fund 200 but every student activity group um submits a student activity question question all right yes okay um i want to start with health so what i've given you are our code numbers from last friday we'll put them on again tomorrow we might have one i don't have confirmation of that yet i also if you scroll down gave you the same data points i did in marching knives the first is from the ohio column virus site and that's what's the two week average per 100 000 what's the case number so what you have here um when i put this in the agenda is 41.3 and it's hard to read the green county is actually 30.2 on that i did look just prior to this meeting they did a
060new one today um the statewide average went up a bit to 56.6 but greene county is at 30.2 um so just so you know just some slight changes the next data point is the cdc county rating we are still low [Music] i know there has been an increase in wastewater [Music] indication we're monitoring that i'm not sure if there's anything that we can do at this point but i put this in here to say that we are still monitoring it we are still recording our numbers um and and i would just urge parents and families i would just say two things if you're uncomfortable at all please wear a mask you know we would encourage that and if you are sick please let us know there's been a lot of other things and i know
061because i was a victim of the stomach stuff and the upper respiratory stuff and you know it masks it's like what do i have so we have to go through the whole piece um but we do have tests but i think right now um we're doing okay and my personal goal is get to may 26th so i will continue to report this to you um and that is my i think that's right you [Music] all right okay i have a lot of things on here so i'll just go through them briefly but we can do 6.2 6.3 and 6.4 together so as you know we're doing a catch-up on our policies so in 6.2 you see a second uh no you see a list of all of our policies that during this catch-up we looked
062at and did not need to be reviewed you're going to approve them as these are retained policies no revisions 6.3 are board policies that you approved for a first read last month some were new some were revised 6.4 is a single policy and it would have a first read in december and i could not find a second so because it's in those four sections we're dealing with right now the the what i call them the zeros the bylaws the one thousands the three thousands and the four thousands i want to make sure we got that in because now we'll kind of set those aside and move on to more sections and then when we go through it all you will rescind everything and then everything you've approved will go in this current policy does that
063make sense so that that's uh those three items school calendar it's the second read from what we did last month um in school care contracts i do want to talk about this just a little bit um our school nurses have been requesting this almost the entire year and so there are quite a few other districts that have a contract with school care so what it does is it gives them a health platform for student health data and and then it's it it's free to us it's an opt-in for parents um so it's not uh required we just we will promote in our back to school materials we will promote materials that say you can opt in for those students who struggle a bit economically there are it does hook up students with services that they
064might need so that helps really improve the health of the school and the community and then it will allow us to connect to what's called cis which is the statewide immunization something else system um and so that would work if if jay took his children to the doctor the doctor would say do you want to be part of cis you agree and then that that is just you just get information on vaccinations so it will make the the life of our nurses um much more manageable so once you approve this they'll go through training and then that's what happens i have a quick question about how histories have no cost to the school because that's no cost to their parents too right uh it's it there is no cost so it's funded for students who
065are who receive uh state funding yeah that's how the system funds itself the next item is the green county educational service center contract this is typical each year we have a projected amount that goes up or down based upon how much of the services they use school forest out of state trip that's what john spoke to about school forest is very successful so this trip and the document i uploaded for you is free for students they will use a school ban so any charges from that you can look at the school forest account for gas um you know i love these experiences for kids but i'm going to be quite honest with you whenever i hear like they're never bored it's my job to be that way but i spoke to jack and john at
066length they've gone there for quite a while there you go [Laughter] so i think that will be a very good experience so we will um any any budget that needs to be approved we will put through in may um it happens on i think the may 30th um and then next month just so you know you will also be asked to approve the summer program for school school for us these are things that we do every year at this time the next four items are job descriptions for outside maintenance and communications and then those associated salary schedules 6.13 is the 18th resolution so now that juneteenth is a federal holiday we have to account for our 11 and 12 month employees and then finally um joint resolution against house bill 616. this is what i
067think is um you know well it's it's not technical in the sense of you know we improve this each month this is what helps the school move this is bigger and i think this bill has the potential to [Music] do some very very damaging things and i do want to take a minute to read some of these so this bill uh sweeps in in 322 and 327 which are about race and things that we cannot talk about and we can't make one of these feel inferior etcetera etcetera so this wraps that in as well as includes language about speaking to lgbtq issues how we approach that with children so if that isn't bad enough here are i just want to mention publicly so if anybody's watching they know what this bill prohibits so any instructional
068materials or curriculum that promotes i have devised here that's a type of divisive or inherently racist concepts which are described as critical race theory intersectionality which would be um if you are black and gay and women that enter that intersection the 1619 project diversity equity and inclusion learning outcomes inherited racial quilts or any other concept that the state board of ed defines is inherently racist additionally no school district shall do any of the following teach use or provide for use any curriculum instructional materials or assignment designed to promote or endorse divisive or inherently racist concepts offer training or professional development to employees that promote or endorse divisive or inherently basis concepts in grades k-3 teach user provide for use any curriculum or instruction materials on sexual orientation or gender identity and in grades four through
069twelve teach use or provide for use any curriculum or instructional materials on sexual orientation or gender identity in any manner that is not age appropriate or developmentally appropriate for students and according to state standards no teacher this is problematic because we've been doing this this year no teacher shall receive continuing educational credit or other credit or licensure renewal for any seminar or other program that teaches promotes or endorses divisive repair appearances concepts so if we have and we have said we're going to do a three-hour pd on equity all right that would not be eligible to count for life since you're giving um now it's going to get a little scarier individuals may file complaints against a teacher a school administrator or school district superintendent elementary violation teachers school administrators and school districts will be
070afforded a hearing by the state board of education should a teacher administrator or superintendent be found guilty of violating section b or c of this law they will face one or more of the following official licensure admonishment licensure suspension or licensure relocation should a school district be found guilty of violating the section of the university of this law the ohio department of education will withhold funds from the district based upon the civilian reference this bill criminalizes the teaching profession it ostracizes the means i have so many more descriptions all of our students and teachers if you are black if you are brown if you um are any ethnicity other than white if you are gay if you are trans this is designed to punish you racism um this is pretty terrifying right now it's it's
071just a proposed um but this is dangerous we shouldn't be surprised because we can see it coming from all across the country right um so this uh the 365 project is is trying to galvanize around writing letters i know the college and michael has been um galvanizing around this i think you know if i have my pessimistic hat on it's not going to matter particularly in ohio but it doesn't mean we can't try um so i've spoken to nancy bussie who's president umc and elon hermits from the ysca they absolutely want to be included on this resolution and so we'll simply sign it we'll send it to the governor we'll send it to our representatives and thank you for watching thank you for walking us through it and putting it forward i think we're all
072in the state of shock you know i i've got a child um i was at the high school for a year a student asked me was waiting in the library and she's like dr holden when you think about that i mean they know [Music] as yeah that's correct but it's how they're doing the definitions because of it right so it's kind of a mask okay well no questions then let's um approve our consent however okay uh okay yes dimpling yes magnus yes turner yes your yes yes motion pass five to zero all right we'll move on to the seven so we uh this is a touchdown calendar on the personnel side we have a motion to open this one up that you approve the personnel schedules as attached um you use some of the schedules
073contained in your teachers that you were in your employees that you were able to meet a few extracurriculars uh resignations and then um volunteers i do want to say well for at this point at some point in the future perhaps may or june maybe june i'm going to give you some possible solutions to our issue of volunteers and vacuum attacks because we want to encourage volunteers i think they're the lifeblood of the district particularly at this building [Music] but we have to navigate how we want to do that and so i've been talking to my superintendent colleagues they all do something slightly different um there is a way that perhaps we can get a background check that's a lot more cost sensitive um so but i'll bring that um so as we see some stuff
074leaving i think you mentioned yesterday could you confirm that there will be a process for exit interviews there there is a process for exit interviews so um the team and i uh the admin team and i kind of worked on a set of questions um right now um between now and maybe mid-june i think july 10 is the deadline for teachers to be without the contract penalty um but most teachers know by them or meno so what we will do um probably within the next week or two we send out an intent form for next year and it says i intend to return contractual piece but we'll send that out but right now it's pretty normal if i can say that in this space that has not really been normal for two years um given
075you know the reading and national music there's a lot of teachers sitting in the profession and how is our numbers looking now relative to that what looks like an increase is it um because you have two teachers that that applies to meeting the profession permanently but just so i guess following on that something that is interesting to me is to know whether or not we are losing them to nearby districts or are we losing them because they're taking their comments so that would be a trend something that would be interesting so the question so so the way it is it's in person but the questions are on a google form yeah so i'll just type in the answers or transfer them by hand right then and so some of the questions are like that if
076you have taken another job where are you going what are you doing okay so there's about 15 questions okay thank you okay any other questions all right what's up all right board communications do you think about ysbc report yeah i'm sorry do you want no you have a secretary but uh so um so uh we um we met just on tuesday and uh we have a very nice uh we're starting to have bring in folks to talk about um people outside of the development corporation to talk about uh either things what other development corporations are doing or you know businesses that have a particular interest in the town so we had um instagram away from the uh and uh first aid from uh one of the things that was really interesting is the jobs fair
077that's coming up on may or something that they brought up and that's probably a really good place for you know people are interested and interested in kind of like um you know what's shaking in the town in terms of job opportunities is probably a really good thing so um the uh uh in addition to that we talked about um uh we talked about um what uh developing corporations do and and actually dorothy uh really a well-received idea about doing this sure so the point of the way is this is to try to promote jobs in the village uh so that was useful to hear from embedded and transparent to see what issues they are running into which is similar to what we've heard from theory staffing um another project that we are touring with is
078doing a comprehensive survey of the commercial and mixed-use buildings in town as a way to lay out what facilities are used on the use or not used and could be publicized to tenants and other small businesses to come down that's the idea that i pitched and then i reaches myself and expanded out too much on my plate give it to someone else yeah so right now as we're kind of uh the group is really kind of taking up you know opening up the aperture and looking at ideas and um uh several ideas uh he's able to also talk about grants available for businesses about the commercial facility that's available so there's there's lots of really interesting economic opportunities in town but there's and that some of these opportunities can go away but don't necessarily get
079energy the behind it is you know maybe um you know getting some students maybe a high school interested in these ideas yeah thank you for bringing that up both say that friends care say that they are not seeing enough students being trained in care for elderlies and that will be one of the fields that they are trying to reach out to the green county eac into over um educational institutes around here to see if there could be some sort of pipeline that he said because they are not able to find him to kind of yeah employees training that yeah involving high school students you know you know early on in some of the outreach activities they're using to get them interested in careers especially if there's a lot of potential certainly from the you know
080we heard a lot about both both [Music] you know is that overall there's there's a there's a lot of jobs out there and dell springs isn't alone in hobbies it's been a really good discussion on the united invite people who are interested in economic development to join the conversation see if some of these ideas uh um especially this is my idea something that they could support just to get involved and the next meeting will be in person yeah it's probably going to be at the same time the first tuesday because that's where the energy is um coalescing around and uh for that's the deadline and um um well i want to point out that the first way um you know that they're monitoring that he has sent a report about the wastewater relatives so i
081think thank you to the village for providing information to the schools and i'm sure they'll be providing that to the community as a whole that's going to be helpful to us at the time um also i've been talking to the village about safe uh in terms of the drop off and you know that's a place where the schools in the village um have a common responsibility and i think what makes sense and i haven't talked to terry about it yet but is that over the summer um you know there's some concerns about safety cracking out here um that we discussed that because um how we might uh some very simple small ways that it might make it just could make it kind of safer but it would be something that i think would make sense
082to try to if you want to participate in some companies that they have and to talk with them early and develop [Music] okay just because i understand that in the big picture hp 126 that has been passed is having an impact on how we can get our but this is the bill that really reduces our ability to challenge to respond to challenges for evaluations and um i know uh bassa osba or asphalt fought this bought those pockets um so this this is something that that potentially could um impact us and i did not talk to you about this because he he wants to come is with a better explanation but when i um through this it really gives property owners a lot of leeway and school districts almost known at all yeah um school districts
083are pretty much one of the you know we're the ones that primarily oppose these property tax valuations just that the county has something valued at you know a very low amount and somebody buys it for 10 times that price um and as a school district you know that anybody really has the opportunity to to challenge um the county auditor's valuation you'd say okay you know this property and it applies mostly to commercial because you know a home really is sold for there you know it's valued at fifty thousand dollars and sells for uh half of those you know but commercial properties um that this is the type of thing it can be valued very low and it sells for a very high condition um and that's it's typically schools are the ones that challenge these
084because we're the ones that have the most we don't really uh the way that property taxes work really doesn't it's not it's not a game necessarily like beginning that year but um you know it spreads out the share of property taxes fairly um which is a big reason for us to challenge um so by limiting the way that we can challenge them it limits our ability yeah so the question that i had is that who is in charge in the school district to monitor and what price good properties are selling for it seems like an insane amount of work to do we have um so you're on zillow every day we pay we pay somebody to help us monitor they we pay to to monitor the sales and within the district and the county auditor's
085valuation and they contact me and say hey this is valued at x amount monitoring work because it feels insane is [Music] so the first piece it prohibits us from filing um generally that's not what we do anyway so it's the promotion but then the paragraph that says eliminate notice to the board again by county algorithm counter complaints district will have to file counterfeit thank you um districts will have to file counter complaints within 30 days of the date of the original complaint however property owners will still receive notice of board event complaints when you have 30 days to receive that so they get a lot more leeway than we are getting um for this um it's just again chalk this up to another another pound um [Music] in the fight to dismantle public schools quite
086honestly so i mean it [Music] um it's possible that we don't get noticed and we don't know if we miss the democrats so this is just hostility in general right to public school funding yes so so the service that i mean hopefully yeah um yeah i'm sure that they're going to be um you know discussing this you know updating their processes um you said you know we don't challenge presidential i also very much don't have a lot of agriculture here but if you're out in the district that it's all agriculture correct this is a really good differential you could yeah you know you can see a huge farm operation that died you carry a little plants sells for 10 million dollars you know i mean there's so so we we just don't have that share
087with only 17 square miles um but it does impact other connections hb95 that was giving more federal money for money for school lunch programs do you know how that's going to affect us um yeah yeah can you reduce that a little bit i included it because it says something about municipal corporation to comparing the exempt improvements to the same parcel and i couldn't break it down if it would be relevant it looks like something that they like they attached to a food service piece that's really about it yeah um okay and then the sb 135 managing school district including career advising policies information and current fields with associate degrees and certificates and the reserve officer's training course so that seems to be an engaging class to the extracurricular and then 397 about revising the law
088regarding agricultural uses so i thought that we had agricultural business in our district but maybe not as much as i thought okay one thing i want to say as it's not really the village government liaison but i just want to point out in case you don't know lauren's shows is going to be from the village yellow streets news uh carol simons is retiring he's going to their time so lauren or chuck um it's going to be covered in schools awesome and which is great um sometimes we had a facility committee meeting last week um basically uh we introduced ourselves we described we talked about what is a permanent payment plan what is a maintenance plan advisor um and then we broke assignments down to experts um let's see a really cool thing superintendent made this
089depository appearance of documents of information that's been collected in the last several years uh in discussions about facilities from meeting minutes of task force for example to you know the occ report there's it's it's kind of a mixed hodgepodge and very kindly i'd ask about five people help us go through it to kind of see what is relevant here and he didn't have and i probably did less well for the other half and he but he made a um direction you know yeah i think yeah once a spreadsheet he made a spreadsheet a little so you could check off you know with the main thing was in this so we were looking through every document which is many and i don't and so um we've now made that prosperity available to members of the committee
090uh to start looking through parts where they are um you know what they're basically to get up-to-date as to the information that we've already gathered and then dorothea is helping the users um so there's already user input in that um and then so dorothy's looking at that and then she's going to help the users in the community because they're all getting really busy here towards the end of the school year um to develop a questionnaire just we want to get very kind of detailed needs each classroom each workspace each student's face you know creating more electronic more electrical outlets so we want we want to be able to get that from them every basically we've got to be working in the buildings um and dorothy's helping uh develop that it's going to be a simple
091questionnaire hopefully isn't going to take much time at all and i'm assuming i'm thinking if you're in classroom you know you don't have enough electrical outlets if the windows are leaky for example you know that you'll be able to um pretty quickly or itemize what those issues are in your workspaces and in the student space um i've got something from a school district that works with um a marketing firm that has a um so what they're able to do with that is that it's a very quick thing when you're stuck in my homework you know just like you're feeling you know satisfied you're very satisfied you know sort of you know neutral with us um and but when she didn't start getting trending data that's what that's what become that's what the school district and
092the maintenance contractor they said that that trending information yeah so email you know that to me i talked about it outside um so uh let's see dorothy and i met with craig carter who's our current facilities supervisor and he knows and had worked with karen conrad i think full time his first several years and craig conrad who's on the committee you know gives our facilities maintenance person for 27 years so they both but they're both quite knowledgeable in buildings so um their uh credit card is not going to be coming to our meetings he gets up i mean he just doesn't make any sense for a lot of reasons but he's going to be a great resource and really appreciate what's willingness to spend time and sure for the folks to be able to go
093around and look at the different aspects um if you want to see that i'm really pleased that um we've basically had volunteers take the meeting uh and channel five it's been really helpful um we borrowed their equipment the quality was quite good i'm sorry i'm just noticing that you have you've seen the spreadsheet and seen the meeting amy because i know this is all brand new information to me i'm telling you tonight because it just got put up like a few days ago it's on channel 5's youtube station so that's what we're going to be doing with it also um the channel 5 which i don't know how many people watch it i'm not quite sure how to find it but uh they have two slots every day uh like 11 o'clock until some point
094and then 8 pm in the evening and they're going to put it on channel 5. um they do this for village council meetings they're also on a youtube station so she's so um she lacey fox who works at channel 5 she um we gave her you know the camera after we were done she put it on a little flight track i gave it to terry for us to put it on our own the school website over that stuff so here's that update it's too big to look directly onto our website so what we did was we uploaded it to the district's youtube channel meetings and we can link that on our website if you want to get directly to it just go to our district youtube that you would go to for work it is
095just too big yeah no that's totally the way to do it absolutely that just happened just went up today okay yeah so there's a lot of different places people can find it people always know how to find this place or that place so it should be pretty easily accessible um went up um the um this repository is by invitation um and so i don't know it's a little overwhelming to go in there but with this uh spreadsheet it um yeah yeah i don't think that um amy has seen the spreadsheet but he did a spreadsheet and it's um yeah you just what it was just in ystc it was just discussed in the meeting so i mean scott [Music] and you've seen the video oh the video was uploaded on twitter yeah yeah it was
096uploaded okay i had a long drive show it was easy to just listen and then um the request for qualifications oh dorothy and i've talked about breca um regarding energy efficiency he's going to be a resource um and then uh terry and jay have uh with the lawyers have developed this rfq maintenance plan advisor who's going to be who is um the person like the the folks that migrant chili says you know that's the other piece that we're going to need help with too as we develop this plan so that we can see what it's going to look like and um so that's a very important thing so you become an rfp for a neighbor's planning advisor and it was posted on [Music] monday itself saying that i was finished [Music] maintenance plan advisor list
097so the word is out folks of the emailed me is asking for further information there's a pre-proposal hearing for these interested companies next thursday i'm here and [Music] i believe mike will be here so that's typically for folks who are interested to come tour the facilities if they want to so that they um generate a valid proposal and then the proposals are due by may 3rd at 2 pm um generally they come by u.s i'm there with the treasure generally the treasure builders the bids because they're all seals these meetings are open to the public so we're working with um our legal counsel about who else from the committee could be there because this this committee is operating differently because it is a the committee is to please confirm this has to follow guidelines as
098sunshine as a community so there's 15 people in that committee so we cannot have meetings between committee meetings where we have a poor which is above 50 percent so we just discovered that right before our meeting on last days so but i don't think it'll be too much the decision that the committee made to move forward with an rfp for a maintenance plan advisor it was not just could you elaborate on it was discussed and we discussed that um the committee didn't make that decision that decisions about that and i don't um recall i guess i'm i just need to know the process because of sunshine laws i'm not going to be able to participate in these conversations this is the only space that i have to participate in these conversations and i would like
099to know because i understand that there's a financial component that is involved and it is my understanding that we as the board make decisions on those financial components when they are larger than a certain amount so i would like to understand and we can talk about it another day if that's needed but i'd like to understand the rationale for the timing of this decision and when we would it sounds like as early as may be reviewing to hire a maintenance plan advisor when we don't yet have a maintenance plan when we're doing a feasibility conversation i'm just i'm just a little surprised this was um we did talk about it at the last coordinated touchdown going out for an rfp requirement advisor um you can you can see the rfp the rfp does outline a
100specific plan for the maintenance plan advisor to follow up and then we will receive the bids from the companies to be the maintenance plan advisors and the any contract with a maintenance planning advisor will come to the board for approval of the budget and to do that we need to have things on the table this is not binding us to making the decision because it's a decision made by the board but this was to give us the piece of information about what is the cost of an employee what is the cost of the mba but we are asking for an mpa we're doing an rfp to hire somebody is that am i understanding am i not understanding so we're just finding out how much it would cost right so it when you put out an
101rfp it's like the same process as um or yeah proposal it's the same process as a large building project if you needed to do a new route we would ask everybody to give us proposals for roof you collect all those proposals and you know i open them and like i said it's open to the public usually some of the companies that made bids will be there um to see what were the other bids like you know where are we in the pack um and included in that is their credentials and everything so so you can accept a bid or you can say we don't want to use any of these and we're not going to move forward with this at all um you know so sometimes you don't know how much something cost until you
102put something out there like this um so you know we've got 200 000 to put a new roof on this building and we do a request for proposals and the lowest one's 400 000 here okay we're not doing that because we don't have the money so there's no way of really getting around that request process without this sorry i have a similar question everybody did building up what um my understanding when we were talking about the maintenance kind of advisors we were doing it as fact-finding how much it was gonna cost now instead of is this hiring someone for a year period or or is this we're hiring them to just develop just like we've done with mike richardson as the architect we're hiring them just to feed information to the committee so we walk
103away with a better understanding of what a comprehensive maintenance plan down the road would be so that was my understanding but it feels like it's more of a foreign in march and prior we've talked about this facilities community we have talked about it [Music] um again i served at the direction of the board so it was my understanding based upon the multiple composers we had for the facilities that the board would seek the maintenance crime advisor jay and i met with mike virtually to talk about that he explained to us how it works he gave us a general guideline of what it should cost us um he actually directed us to someone you know i think generally they do something square footage what happens is that that person comes in and says [Music] they do
104an assessment that is spelled out in the rfp and then they say you know based upon the condition of your business here is what we recommend that you do if you are you know if you are if your goal is to maintain your abilities here's what i think again this is my mic which is suggestion here's what you can do for three meals here's what you can do for six months here's what it would take um so because of what has happened at previous coordinators um i took that as a great light to and we feel like we talked about this to contact so the way this works is we don't create this right so we have to reach out to our legal counsel they have a school construction division so they did the rsp
105sent it to us for review at the facilities committee i was asked to let mike look at it he made some changes i sent it back to the attorneys this is great they they changed they updated it so we had a new um rfp package that's what we sent out so the details the whole school in the project i just sent that so that everybody has the same information i just sent that to you and look at that and it knows that's my apology i sent the rfp to you and i also sent um you know dave warby's at my request that you gave us last week that i gave to the facilities committee the information about sunshine oils and particular communities like this one absolutely awesome in my multiple reads it it does operate
106a little differently so i just sent you two documents the rfp and that um you know dave is always willing to talk to us about that and walk us through that i just want to make sure that i am um clearing away so that we do everything correctly and so that we're not um you know making missteps that we could prevent if we just kind of investigated a little bit and in this steps i mean this is a different committee so the sunshine law it's just not something that that i'm used to or that we're used to so that's where we are with rfp as jake said we don't need to take any of it we don't know how many people will get and just because people have interest does it mean you know remember
107our outdoor facilities process over our first one nobody this year that helps you develop your your uh maintenance yeah yeah so there's a lot of time over there here there's just two two paragraphs the selected contractor will assess each location determine the condition of all facilities including but not limited to electrical systems hbac systems roof systems and building enclosure systems will assess the internal and external conditions of the facilities and will evaluate additional functions of the facilities is determined by the event the contractor will provide the owner with an assessment of the facilities which details the current state of the facilities proposes a detailed plan for the continued maintenance of the facilities provides a timeline for contemplating maintenance projects at the facilities provides a budget for the work to be completed and includes any other
108information and then they're going to there's something and you know the hope is is that um you know is that there's there's a maintenance there's there's the maintenance and there's additional things right um so you know like you said either deeper renovations and so uh this this uh gives us you know things like we need yeah yeah i appreciate us i just i needed to like slow down this conversation maybe it's because at the end of the day that i'm trying to remember all of the pieces but it also felt like people had different information at the table and i know we do some of you are on the committee and some of us are not and to me this is my catch-up time for us when we're together to kind of understand where we're
109at together um so i feel comfortable now too next time we'll try it i mean dorothy took notes last time she actually took pretty thorough notes about what happened if you don't have time to watch it it was yeah it was an hour and 40 minutes it wasn't real rural linking it um so and is this recorded and a good quality preparing it great um but if you want to enjoy these got notes and i mean i'll be taking notes to the future and i'll try to get a little maybe you should probably get older at a time just what i said tonight is um channel 5 has offered to also put us on the channel 5 youtube our meeting we want a second place for people you know and and she's really they're looking
110for global content for the actual channel five now i don't know if you need to watch this channel maybe this is lacy [Music] is [Music] um this goes back to the beginning of the meeting in the compost project so for bernie teachers um for i i think this should go once i [Music] is little projects like this and my goodness teachers if we are holding up a project because we don't know how to purchase trash cans please contact me we have budgets in place i can't imagine that it's gonna be more than a hundred dollars or two hundred dollars or man at the maximum they must be awesome trash cans five hundred dollars i can find a place to get five hundred dollars for little projects like this so um for our teachers and students
111when you're trying to get a project like this off the ground and you're looking you know don't let something like a couple hundred bucks and plastic bins get in the way contact me and i will help you find the money to go back i was just going to have to talk to them okay so on 25 april we have a work meeting uh [Music] i will not be able to make it so the 25th is just going to be a work session correct or are we gonna have access to some uh [Music] um and then there was like the powerpoint that was embedded if there's any additional documentation no that's fine can we can we attach that to the agenda forward 21st please yes yes i think yeah i have a little short power point
112um understanding property taxes have some um about trying to understand the local property taxes that we can certainly go over in that meeting um and then there's the information that we have about the taxes here yes yeah so understanding your property taxes in general in the state of ohio and then there is also understanding yellow springs property taxes um particularly the schools i have not looked at how much everybody pays [Music] the different steps that we need to do to put something on the lady by november but kind of what kind of stuff because i know it was not included in the past presentations and i was looking for that information okay so yeah we will discuss the process and then our planning and um so the next berkeley schedule board meeting would be the
11312th of may yeah [Music] um but that is the next great belief schedule may 12th and then it will be june 9. we're talking about regularly it's june 9 and 7 14. so i know that i i want to be there for 7 40. do we have a quorum and enough folks i may have challenges in may i'm planning on being here but i've got some scheduled oh um in june i know i will likely not be here on the night and i was wondering if people would be willing to move at 16. and we don't have to answer that now because we're allowed to talk about that and then maybe let's push one more moment just just to make certain you know july's gonna look further out there but that would be like 14th
114so i won't be there okay it's the best deal day two would you be there the week afterward or i am going to work okay so that won't matter we have to have a meeting in july by law so yeah okay yeah i mean tonight's impossible everybody can make them [Music] sometimes do i have a motion to adjourn [Music] yes [Music] thank you thank you so much
