billboard needing to order on November 14th at what time is it 5 10 pm okay let's start welcome everyone and we'll start with the Pledge of Allegiance of America under God indivisible with liberty and justice okay thank you and looks like we need to approve our agenda uh I'll move we approve the agenda I'll second okay do we have any discussion Paris yes I would like to recommend that we cancel the second executive session uh that to consider the employment of a public officer employee staff member or individual agent um I received legal Council advice um at about 4 15 this afternoon that we should cancel the executive session pending further legal review thank you do I hear an amended um so I'll and then I'll amend my motion to approve the agenda striking uh
item three number two or sorry item four number two the second executive session great thank you Adrian and he was second David oh I'll second then all right perfect any other discussion all right all those in favor say aye aye all right motion carries next up is our consent agenda I hope that we approved tonight's consent agenda for a second a second thank you David thank you Adrian any discussion I hear none all those in favor say aye aye commission carries all right so now we dismissed to our executive session executive session to review and evaluate the performance of the superintendent or any other public officer employee or staff member unless that person requested open hearing or S 192.660 subsection 2 and subsection I nice and we have public input up next group we have
no public input tonight so we will move along in the agenda to building and staff for completion so first up we have our out of state travel request for our wrestling team bohampton here oh Harris yes um this was a request um that the athletic director Greg Mulkey mentioned to me um the wrestling team would like to participate in a wrestling tournament in Crescent City California and in order to participate we need board approval to go across state lines but it is close it's Crescent city is close to the border so I I apologize I don't have the dates in front of me but it's coming up within the next month before the next board meeting so um we're hoping that the board can give approval so they can participate in that wrestling tournament thank
you Paris I do not see it under our action items so is that something that we're willing to entertain emotions at this time do I hear all right let's find a motion that's uh we allow the uh wrestling team to travel across the city on the upcoming of the event um thank you Dustin I'm second that I I we have done that for many years they've had different tournaments especially Crescent City and it's closer than some of the other places [Music] thank you Ernie any discussion all right let's do a vote Dustin hi David I already all right Adrian hi Kevin hi and iPhone I as well motion passes go wrestling team all right High School update we have Carly Campbell and she is not here today okay all right so moving along we have
osea business park Rock okay um okay so we officially have our new rep she started two weeks ago I think officially her name was Cami starts with a P count pronounce it um but she is going to live here in Coos Bay she's in the process of closing on a house um and she came here from Vancouver Washington she's been doing um Union stuff for like 20 years or something so she um is pretty experienced it uh is new for her to represent the classified section of the Union but um so she comes with lots of experience the other thing I touched on it last time about reclassification and we have finalized kind of what we want that to look like with Michelle so on our website and I think on the HR website there's
going to be a graph that'll say um ask different questions um so does the current job represent accurate accurately reflect the job and responsibilities and expectations and then you just go through yes or no um if it ends up being like a denial from HR um that'll be like a sit down with HR the supervisor and the employee to kind of figure out how to get that person back on to the classification or make them feel heard um the procedure of being able to ask for the form whoever is wanting to be reclassified actually has to ask HR so they have to get the form from HR and then they'll be um like an investigation of talking to supervisors and people in that position and a committee and then it'll be presented at some point
pianist will get LinkedIn because if there is like a monetary like change in salary wages that has to get figured out and how that affects the budget and things like that so um we also have a definition of what reclassification is going to be that'll get put up there um so briefly it'll be um sustained substantive changes and duties and responsibilities of individual positions Accord occurred during due to changes in organization Work Staffing requirement and Technology a classification to which a position is assigned and inappropriately or was intentionally um interaction um so the and sometimes when people go through the classification through this process it'll be found that they don't necessarily need to be reclassified just the scope of that position maybe has changed because we've also talked with Michelle about updating our um job
descriptions so that they more accurately reflect what people are doing now some of them are from the 90s so we look differently than we did back then so um that is what we're doing yeah questions um do we do you have an estimate for the number of people who would be requesting reclassification I brought it up at our last meeting um but I haven't had anybody kind of reach out to us I know that Brenda guessberg um is going to be requesting to have her position looked at um and I think Eli's kind of on board with that with what's happening up at the high school and and what her job is so I've not had too many people inquire about it okay well it's good it's not a huge backlog of people yeah just
get ahead of the process definitely something I think during negotiations we were slightly concerned about um is having a huge wave of people come in so um not yet hopefully um it's not too bad so and it could just be people want to be heard too um so okay yeah thank you all right and unless there's something else anybody I'm gonna dip out because I have a car full of kids um thank you thank you very much okay up next are cpea business second grade good evening everyone nice to see you I don't have anything really um really big new news tonight but um we are getting started with bargaining um been passing around a couple emails um trying to get started a little bit earlier than in years past um we have put together
a team of people and uh looking to start in January I think rather than um generally it's usually April May and then we go into the summer so um so we'll spend the winter together instead of spring um we have conferences this week so that's a big focus and uh and a lot a lot going on this week um we had uh you know as you know November schedules so crazy uh we've had a three-day week last week um a great day and Veterans Day and then a two day week next week which will be odd and it's always disruptive for the kids but due to the holidays and so uh conferences are the big thing yeah um amplify is uh here I guess it's all been delivered we got word of that just tonight
that um Chad heard that amplifies says it's all here so now we just need to find out if they've missed anything um and the only other thing I was going to mention um I I'm not really the one to uh probably mention this but I I know that there we were waiting on a couple um I was waiting on a hiring update um I know that there's a position at least one position that's still open that we hadn't been able to fill yet um or an over full class um and so I think it's just we haven't had candidates or haven't been able to fill that yet I know um there's at least one more position from our from our unit that's going to be um that's been posted and I don't think closed yet
but just really concerned that hiring at this time of year is going to be hard and I know you guys are concerned as well and we'll do what we can but uh look in the same Solutions you know what we do when we find out for sure that we're not able to appeal those so and that's pretty much it oh one more thing I always put a message out to my reps in the buildings and offer them you know to share something with me to share out and Mary marker from preschool is always really good about getting back to me so uh she uh shared that there all four classes are up and running at you know our preschool classes that's 72 slots for three to five-year-olds she said which is just amazing and um
said we're still working on permanent Staffing I'm assuming um EAS but um and she says we always need subs cribe any questions yes yes can I ask that yeah I know that and the last thing that was it was you had mentioned there about the classrooms and some of them being over full and I looked at the I looked at the baby that you didn't hold it like yeah it was the one class speaker that was um yeah I mean I know and um I know I like I just got an update from Michelle yesterday or sometime recently I can't even remember what day it is but uh about the spread class at Sunset that was awesome I've been thinking of and then I know at melakoma we have um just just opening our intervention
teacher and I know it's going to be hard to fill at this point of the year and cool so just a couple holes that are on my radar yeah yeah thank you so much specific to melatoma there are some is they show that everything has been shipped but it's supposed to be shipped but we know there's any different things okay thanks Doug thank you so much for the update there on amplify all right so Candace your app Business Office okay um our first report is uh General kind of object and as I pointed out last month oh sorry thank you um [Laughter] um certified salaries of kids 111 um last month we were significantly um over budget in that area and I had explained that we were going to meet we knew that some hires
were supposed to be in some grant funding but we we put them all in the general fund because I didn't know exactly where they needed to be we have made some changes but we have a few grants left that we're working through so we will like remove a few more out of here um however one thing that did happen during budgeting is some of these fictitious positions because we didn't have hires yet um actually got coded to 112 which is classified salary so you can kind of see how there's one that is significantly over than the other um which which is fine um that's just the exploration on what this is um there was one other thing I wanted to point out and that's hers um uh 211 um two 16. and then uh 212
um while we were budgeting and again with these fictitious people we don't always know when we hire someone if they're going to be um tier one or two if they're going to be officer um so those are interchangeable as well I just wanted out um and then in the we've we've got all of our encumbrances in for electricity fuel water sewer um and we estimated based on what our uh September and October bills were for the remainder of the year um which we all know have we've seen increases in utilities versus what we thought back in March and April our expenses were going to be so that is why some of these are higher than we got there they will be and I think those were the only ones um I wanted to be sure
I pointed out um 710 our our fund modification those are our budgeted transfers that will go into uh capital projects uh the mature replacement fund um those training groups that will come out the democrators and I just have not done them yet but likely you will see on the next report if that will be zero them sometime this time it's going to ask about that the turf replacement we know when the replacement is going to be due that looked a little July oh it looks a little rugged out there so um yes we are actually volume two we've already scheduled it and they will be on site I think it's July 7th I can't remember the exact date but that must be Rick yeah yeah July 10th is when they'll start okay um we went
ahead and uh got that scheduled so that we could have them early enough in the summer so that we would be that by football season um and we could secure the company that we want to have Do It um so that's our new schedule and it will be out of next year's budget and we have the funds to do it which has been my big thing every year about putting that eighty thousand dollars whereas last time we had to do it you had to get a loan for it so expensive it may sound expensive but yeah yes okay so does the facility committee get involved with the building group at all you guys you guys describes that I just it's been such an issue just brought the injuries around artificial injuries and different types of
materials and I just don't know if we've ever had any discussion about what you know I don't know if we track injuries among our youth participating in sports but you know at some level the amount of injuries related to the use of artificial Earth is very very high and I didn't realize this but a lot of the injuries are related to artificial as opposed to that filter so many organizations have been moving back to more natural services to reduce an injury now I know that probably has additional expenses for the upkeep all those things that go with it I just ordered at the facility committee at some point might want to take a look at what we're doing and see what makes the most sense because if you look at NFL sports in particular it
really is a high level kind of concern at this point remember ACL injuries things like that are are likely due to beat artificial Services which you know many organizations use so I think it really does get back to the discussion about um also who gets to use those facilities which is to say um with Turf down every PE class steps um uh and so the amount of views with the term field is huge uh because it doesn't break down um and going back to my own youth um the football team used football field um you know so it is a real uh balance again and uh and I guess my suggestion would be uh conditioning uh or that true uh is super important um and also measuring where the term is at which is like
there's a I can't remember if they bounced the Marvel a lot better or but but again um the density of the field is is uh determined by the kind of conditioning done to the view um and so um you should be looking at all of those things interesting facts are you do you want to go on the budget or is there I just noticed that this weekend too the uh bringing the turf on the NFL games and my brother-in-law explained to me I don't watch football yeah I mean especially the focus that we've had around concussions and so like that artificial purposes harder typically I just think that it's important for us to look at the choices we've made and and see if it still makes sense obviously I think you're right I mean it's
useless part of it because if it's if it's regular curved you can't have people on that level and have it you know so this is something that we want to discuss maybe in the facilities portion of the meeting or yeah this is Rick the choice we've made for the turf isn't the sheer Turf that the NFL describes with their their sprained ankle injuries and incidentally the sheer Turf that they described were lower in injuries when it came to LTL or ACL tears and things like that so we have a pretty good turf the turf that we have now passed this recent g-max testing with the concussion protocol test the that they test the density for but we're in our past one to two years of being able to pass that gmax test so our our
field that we're going to install is in line with the the recent fields for instance that was just installed at Mazama in Klamath Falls so we're we're right in the ballpark of what we need to install uh to ensure the safety of the players thank you Rick any other questions or comments about the budget regarding the turf okay so our next report is the statement of refugees signatures and changes in fund balance and this will be the last month that you see estimates um we received our okay from the Auditors to enroll our our funds over so your next report will have actual um balances in that um those are just the highlighted areas there's there's not really anything to point out on this report if any of you have any questions on this one
um that takes us into a student enrollment numbers um and as I uh brought up last month I changed this report just a little bit so that you can see um in the upper half you'll see one year ago so you'll see November 3rd 2021 versus November 2nd 2022 so you can see where our enrollment um was one year ago versus what it is now and then in the bottom half of the report you can see where we were at the end of the school year last year and each month thereafter so you can track it and see where the movement where all the changes are happening so you can see from the beginning of the year we were at 3147 and this beginning of this month we were at 3081. foreign just to explain
a little bit about what these numbers are when I pull this data um by school by grade level it's for all students But the teacher ratio is for the the actual grade level teacher so our special education staff is not a community mass or each Pathologists our school sites and then there's Title One none of those are counted in our teacher count it's just strictly that that grade level teacher or subject matter picture any questions on enrollment I just like to make a comment thank you for the prior year of comparison we are up in every school in enrollment so that's really exciting all right no other questions or comments let's move along thank you Candace looks like we're up to our superintendent update carrots the door is yours good evening chair brick Vice chair
we're looking at The Other Board of Directors um I would just like to say um uh this past month has been extremely busy for everybody um my favorite day of the week is my mistakes and I love being out in the schools um where we are it's been really interesting to watch um like exam for example observing the implementation of the new reading curriculum and I'm really excited and interested um when I was there last week um a lot of benchmarking at millikoma was going on so we're going to be able to see our first get our first Baseline Benchmark data about how where students are on reading and um we'll be able to track every six weeks the system how students are making progress so um I'm very interested in looking forward to um
seeing that data and how students are doing and I particularly like it when certain sixth grade teachers um like Mrs crane invite me to play games with the students in your classroom was my favorite part of the week we had so much fun um the group at the table I got to sit with with students we were having a lot of fun so thank you for including me that was just the highlight of my week it really was oh man it was it was so fun there was just that I've been watching one of the things I've been noting is the incredible advancement of the use of technology for engaging instruction and I've seen so many examples of we've invested a lot in the technology infrastructure and to see teachers using that and the kids
every kid in that classroom was highly engaged in that learning activity we were studying idioms that might on occasion back in the day when I learned them when we were diagramming sentences and idioms I don't know if every student would have been that engaged in that back in when I did it so anyway it's just it's been really fun to see different examples of the use of instructional technology for student engagement and that was a wonderful example um uh for me this past month um I have been focusing on the listening sessions the extents and listening sessions to help collect feedback and input from students from staff from families and from community members to help inform the development of strategic plan for the district so today I've done 17 listening sessions and we have at
least half dozen more planned our goal is to get this data collected um by the end beginning of December so we can feed this data to the equity advisory committee which we'll be discussing later on in the agenda and then the strategic planning work group will have access and we're also going to use it we're going to do a second round of data collection that will be Universal to everyone incentives people coming in listening sessions we'll be sending out a survey link um and it's for second day we're going to Target secondary students and every family and have a web a link available on our website for community members to give us to take what the themes the major themes that emerge from the listening session share them back out to the community get another
round of feedback around priorities we're hearing from a much broader sample and we'll be able to look at that um responses by groups so we'll be able to dig deeper on for example what our families with students experience disability is what their priorities are versus our families of with English language Learners or mixed race or whatever the different demographic categories that are part of the required legislation around underserved students so um that all of that data again will be fed to the equity advisory committee and the strategic planning work group to help frame the draft proposal to bring to the board for the Strategic plan and the integrated guidance plan that is due in March so it's all part of that um next I would like to say um thank you to Becky Crane and
the School nurses and our partnership with the waterfall clinic for the flu Clinic um I got my flu shot it was easy and quick what was amazing we had a student from the Ukraine getting a shot right in front of me and thanks to technology that's Google translate and this you know getting the student who who you know have the permission form so I'm ready to go and being able to translate and talk to the student and he was great getting ready to get the shot it was amazing we do have a couple of students from you can't Ukraine who've joined our district um so that was wonderful um the impact that it was having I was told that it's about 200 flu shots is that correct so thank you for organizing that in memory
of your son like that was really thank you for doing that um and we're seeing a lot of sickness right now so I'm hoping that's going to prevent a lot of sickness for doing that a lot of absences right now for staff and students who are out um sick right now um as Becky crane already mentioned we received a notice of organ so we're working with and she's already mentioned this so you've stole my what I was going to share so we will start to Preparing and hopefully we're going to start in January with formal bargaining um so I look forward to working with these three board members um Kim and Adrian and Arnie to serve on that bargaining team um as we prepare for bargaining um and finally I want to um mention a
couple of important these are several um recognitions this month this month is a November is National Native American Heritage Month um it's an opportunity for us to really recognize the importance of the contributions of our native students teachers and families in our community um we have native students here for many tribes in our school district um and ours we live in our schools are located in sacred lands to the kokwell Indian tribe and the confederated tribes of kuzloe lower Umpqua and say Indians this afternoon I actually met um uh Ray Landrum David Calvis and myself met with um representatives from the Coquille tribe from their um cells program cultural educational we got this Edge cultural educational what do you remember David what acronym we wrote it down and it's their education and cultural Outreach of
the tribe three of the leaders came and met with us and we discussed several important topics listing session input they're helping us try to arrange a listening session for Native families and that hopefully in early December they do a crafting gift session for families they get usually over 100 families we're going to partner with them and and they're going to allow me to do a short listening session and the district will partner to help support maybe some food meals to bring families so people can participate and we can get more input from our native families um they're also very they're doing a lot of work Senate Bill 13 our tribal history law we want to partner with them I need to follow up with Chad around what our professional development plan is for implementing um
the state has developed grades 4 8 and 12. um curriculum that we need professional development to start implementing in our schools in addition each of the federally recognized tribes in Oregon received additional funding um to develop curriculum for their own specific to their own tribes so we're uh we talked about that today and we're excited to partner with the copewell tribe around the curriculum that's being developed so we our students can gain a deeper understanding of the history and culture of people from the land that we currently reside on that have been the stewards of the land so that was a really wonderful meeting today it was perfect timing with the national Native American Heritage Month neck also it's the national adoption month um and I would like to thank all of the families who
have adopted um children including people here um chair brick thank you for the adoption um these are children who need families forever families and that's the most um Incredible Gift I think anybody can give someone is a forever family and I know they're a long adoption waiting lists um I would also like to thank the Department of Human Services they actually partnered with us this month to do a listening session with poor Foster families so last week we are here in this room with Foster families um most of them had adopted children through the Foster system and we provided Child Care a teacher um was it for millikoma well she's from Sunset she's a fourth grade teacher came and provided child care so the parents were able to participate the children were across the hall
in the room and did activities with one of our teachers we provided a meal and we had the most in-depth conversation I've had and we did it in partnership with the Department of Human Services they helped get families here and also with North Bend school districts because um they also are required to do listening sessions and it was a lot to ask families to go to two different listening sessions so we have been partnering on a couple of list living sessions with North Bend to ease the time commitment and burden on participants so we're sharing that data with North Bend and um so I would like to thank DHS all the work they're doing there is a huge need for foster families and families to adopt children in our community so I really encourage anyone
interested to reach out and and find out more to support this very important and special group of children we have in our community um and it also is National family literacy month so uh this month we encourage families to gather together to read so please everyone read read together um um really powerful way to teach the love of reading and um support literacy in our for our students so um finally I would like to congratulate student athletes of Marshfield high school we have had an incredibly successful fall season our boys and girls soccer teams are boys cross country team our football team and volleyball team all qualified for the state playoffs this fall um even better I got to go I um two weeks ago I went to the Eugene Springfield area and I got
to watch Alex Garcia silver defend his second title in a row for the State uh cross country championship and and it wasn't even close like he came by and then we waited a while for the second place he is amazing and our boys took six in the state it was they were amazing um and then that same night went over Springfield High School and uh absolutely one of the most thrilling athletic events ever watching our girls would you like to say anything proud papa um win the state championship first ever time the girls have won the State Volleyball championship and it was dominant actually I have to tell this whole story at the osba conference I ran into the superintendent of cascade where who we played of the school district and I said oh if
I would have known we could have had a friendly vet and he goes uh well I talked to my coach afterwards and asked how the game went and their coach's comment was they're just a better team so they're not no one none of the other superintendents they the word is out they know we have a young powerful team that we're hoping will continue their domination no superintendent is going to take me up on a friendly wager for our volleyball teams their reputation is is very well established they're amazing so I'm very proud of all of our student athletes and go pirates wonderful thank you first we have any questions or comments all right thank you and now we are up to see oh you again composition of strategic planning composition of strategic planning work group
parents right so this is another information because the board doesn't isn't required to take action on this oh however I did haven't asked for the report as part of our process this year to develop a strategic plan for the district um we are going to um put together a strategic planning work group um and we have I have um contracted with and Donnelly I would say Connolly I was at Donnelly um to facilitate that and she'll be co-facilitating with David call this this strategic planning work group the idea of being um they're going to hold a series we've already have days of five meetings starting in December one meeting December two meetings in January two meetings in February to take the means assessment data and come up with a draft vision and goals and Associated
outcome measures to recommend to the board and then staff once those goals are approved staff will then take that and turn it into an action plan to how to accomplish those goals and how to move the needle on those outcome measures um in order to do this we need to convene a strategic work group um so what I'm asking for this evening or unlike the equity advisory committee which there's actual legislation a statute of the board needs to approve the Slate of members the board does not need to approve the Slate of the strategic planning work group but what I'm hoping is this group should be a representative group of up to 18 people to make it manageable um that's what we came up with the facilitation plan and the contract 18 people representing key
stakeholder groups throughout our community half of whom we're looking at um wait I have the numbers here off the top of my head David you can help me um half of whom um half of teachers students and administrators and the other half made up of community members so someone like Becky crane will be getting an invitation or a designee to represent on this um so some of the people like maybe um invite someone such as Patty Scott president of swak um the head of the Chamber of Commerce uh maybe Ann Rodriguez from the Coos Hispanic Alliance um you know different key stakeholder groups that that represent that will help us develop our vision of what we want for our students and our schools for the next four years um so you know we we've started
brainstorming a list but I would really appreciate it if you all could email me your thoughts of some organizations that we should reach out to to see if they would like to participate so that we can have um a wide representation so for example maybe reach out to the Chamber of Commerce so we can get a business industry representative or um any non-profits in town that you think would be good or city or county agencies or Representatives any um so that's what we're soliciting if if you have some immediate suggestions for us or if you would like to email me either way we're going to start sending out some invitation letters to people and we want it to be targeted because we don't want we want it to be a diverse representation and not just
like everyone from Health sector or everyone from once we want diverse perspectives on this but one definitely we want Union leadership involved in getting us who you would like to participate would be an example of a key stakeholder group um I would also recommend that myself and Candace beyond that help with that vision and so we're informed and Candace through her strategic Financial plans so um turn it over to you for questions or suggestions or is one of us have a conversation about this work group great um it sounds like we can email our suggestions to you as well and then do we have any other comments or questions so I was wondering if this should be something that we we look at or information we will get from this group um we're probably somebody
looking at our school board goals or District goals when we make those in July next year so it seems like you know the district Vision yeah um I'll name it I love it yeah that would be my hope is that the alignment of the goals and then the superintenticals and then as I'm doing goal setting with all the administrators and all the school buildings that will all be consistent around the vision and direction that that the work sets in the Strategic visiting process is when we when we've done that in the past in a very thoughtful manner you know we've invited teachers administrators to come and help and sort of take a look at our district and see where where we should be focused for the next year two years we don't always change our
our um Board District calls every year and this seems like something that would be a really good opportunity to look at our district not only from the inside but from the outside from some of the other stakeholders in our community and see what needs they might have that we can fulfill as a school district as well I also wanted to know we're going to talk later on on the agenda around the uh we have a slate of reclamations for the equity advisory committee um it was ex I was so excited because I've been doing the student listening sessions as I've met with students I've handed them out the nomination form and we had so many student nominations way more than we have ability to have slots but two of the nominations from that Equity advisory
committee instead of putting on the equity advisory committee they're both seniors and so they I'm hoping this advisor committee will be a two-year commitment but to seniors who are leaders and from diverse perspectives um I'm going to reach out to them so we'll have student voice also but part one of the one of the benefits of these listening sessions is to see how excited students are to participate and have voice in these processes it was bring my heart to sing thank you Paris so just remember to send your nominations in to Karis and I'm sure that goes for us board members as well as the community as well they can tell you who we think should be from that strategic planning committee yeah and really I would my thinking unless you have different advice is
if you all name organizations I would invite the person at the top of that organization or a designee unless there's someone specific um that you think would be the appropriate person within that organization so if you want to be like you want to give me an organization or if you have a specific person just give me the rationale and I'll I'll sure to include that in the invitation we could do a warm handoff as well if we know somebody personally and maybe do an introduction that would be helpful really helpful because a lot of people aren't going to know me and they know you you have the relationships well they're beginning to know you so so okay but thank you for that and board member highlights who would like to go I guess I can
get started um I had a great time at my at sunset uh going to site councils that have has been a really enjoyable this year uh last year I went to Madison which was also enjoyable long history of medicine uh not as much other than my kids going to Sunset but getting to know the teachers didn't realize that I do know I'm going to hold people on the bike Council um listening to them as they're getting away with their adoptions and getting ready for their kind of one spending and the decision they're making time it's been really good and the fact that they have again agreed that they at least need to get one bring the community into the building uh it's uh this transition where we have kept them away from the building to
get them back in the building you have to do that thoughtfully and do it in a way that people feel comfortable want to come back but we need to get people back in the building so I was pleased to hear that conversation um I'm going to the most VA conferences really enjoyable for me getting to see and hear what it's nothing the ospa has really made decisions and maybe the legislature has pushed it as well that Equity is something we really need to work on and I uh coach was very impressed with the lineup of people we've got to hear from about that and I try to do whatever I can to help fine thank you learning yeah so I attended the veterans assembly at home school as a bedroom and you know it's it
was nice to get back in pretty cool but we did it and so we got back in and the kids did the public religions and it was it was pretty loud it was pretty good they did a really nice job and then um on them touch another note on the church that you mentioned earlier the last two weekends um the cruise County News courts we reserved the Marshfield church at the high school and they're going to have approximately 60 soccer games and so 60 on the grass is built there's no grass I've seen it so I'm usually throughout the community it's about 40 on grass and as the season kind of gets moving along into where we're at how we try to reserve Marsh roads available and so we had uh we had 36 this
last weekend and then 24 so 60 soccer games and and as they're coming in it was neat because obviously they have family members and Community that's coming in and some of them have Dr Marshfield they saw in this other Stadium they saw what's going on and they're really loving it and then to top it off while it's time we're getting new to her you know a lot of them in their mind was kind of blown because it does still look good but then that really didn't shine like oh really get a new trip already and uh yeah so this is a lot of good positive attitude and and then the cleanup went smooth and then whoever we have that's in charge of hauling the trash out shows up really early and does a great job
because we get it all together headed in the bag I got that really in the morning to hold out and as I've gone so whoever that person is at the district great job let's get some all right yeah that's all from that thank you foreign well I don't have a robotics update the the uh Marshfield first League meet actually coincided with the osba conference um so I I had to settle for looking at the live stream on my phone in between sessions but they seem to do a pretty good job over there um so let's see if I can read my own handwriting here um at the osba conference I attended seminars mainly dealing with um diversity equity and inclusion Community engagement summer programs uh those are also areas that I'm going to be heavily
involved with and with my other hat um starting up the Relief Nursery here in case County uh in fact somebody contacted me this afternoon asking if I could be on there I think it was their diversity committee and so we'll see I might not have time for that um one other thing that that came up during the conference obviously you have the opportunity to meet board members from across the state we sort of adopted the single board member who showed up from the Reedsport School District um who who came and sat with us during many sessions and lunches and breakfasts um and it sort of brought up the idea of you know when do other you know when do we get to meet other board members and kind of do some networking and discussion uh
and generally it's the osba regional conferences uh hosted by the ESD so all of our our local school districts um we can kind of meet up although those are generally fairly scripted and don't leave a lot of time to have discussions between board members and I thought it might be an interesting idea to maybe set something up once or twice a year although I'm not sure how the logistics would work um with keeping those from becoming a public meeting and I know there might be issues if you're with another district and you have to notice that as a public meeting then one of them is going to be meeting outside of their District which I think is can be problematic with the public meetings a lot about meeting logs I can never remember where the
ads goes on that one um social Gatherings social Gatherings are okay yes trainees um so something to think about it it's always interesting to see how other districts are solving problems that might be similar to to things that are going on in our district and just learn some of the some of their kind of systems and and practices and you know share what works well for us maybe learn what works well for them great idea anyone else I don't have a lot but I was on vacation and I I've kind of I missed quite a bit or deal with the osba conference that I guess I'll hear more about it lately at some point but I really I know it's been a good opportunity to kind of network s with that so I I did
uh get to watch the volleyball game remotely which I didn't even know you could do you really have to go to some iteration to get the feed yes uh but I my daughter did oh well years ago so it was really fun to watch them you know asset success and uh and Mr congratulations to Tammy on peel as well because I'm sure she must feel really good about being able to guide the ship in that in that direction as well uh and then I did enjoy we got to go see the uh football game several of us uh in the the new box seats uh so that was kind of a special all I did I had to read some questions I think I was like Arne so well where it's what would this do
for the over you know the hopefully we've structured the stadium a little bit and you know where the uh home crowd is whereas the visitors and does that change some of that and it does do we need to have input about how that happens so I had some of those questions that it was it was a really fun experience the first time I got to see a Marshall football game sometimes so I appreciate the excuse to go out and watched team win so that was fun okay uh yeah so ospa was lovely it was uh it was lovely to be around um other boards um because you do get a perspective that is is different than the room um and a whole lot of what I came away with was appreciation for you guys um
so uh let that be duly noted um uh my second piece was uh uh we could change that I don't know if you care but I think someone else um so uh and the second piece was uh kids what we're all about um uh and nurturing a child through uh grade school of Athletics is sometimes painful like the dentist um but uh uh attending uh uh the state championships and having a daughter that was super successful uh has a real profound um change in your kid uh it was kind of stunning to see the difference um uh in just her as a person um and I think that's what Athletics do as a whole for all kids who uh who participate uh so and and I know that's one of the things we do well
um so go pirates uh the second piece of that same kind of conversation is uh when we do the uh 3A boys and girls Basketball Championships um we do them right um the difference between um the Springfield which hosts that the girls uh tournament and what we do here um in the community as a whole uh or that included in that um is stunning uh so kudos to our community thank you Justin um my board highlight would be you know I've been able to experience a lot of those same things that my fellow board members have I went to our concert acquire concert last week um my doctor was up on stage I'm pretty sure I heard her do a solo in a non-solo part it was entertaining and beautiful and um I loved the
enthusiasm and um it's it's great to see our kids out there performing and one of the things from osba that um I'm really ignited me was the the kids who came on stage and were singing and the bands that were playing I mean I'm such an extrovert and it just exudes from my body so I'm out there dancing and just like loving it but the passion of art the Arts in our schools and how important that is we had keynote speakers who talked about this and sessions who talked about this as well um and not just with our neurotypical children but with um special needs children and our alternative education as well how important these things are to the kids that we're serving so that there's something for everyone and I think that's really important
some some people might not fit into the academic arena as well for sports as well but if they love drawing painting singing playing an instrument we want to nurture that and so I learned a lot at osba conference I would say it's the best one I've been to and it might have been the company it was it was amazing I loved it and had a great time and laughed a lot and learned a lot so that is my highlight can I just congratulate the new Treasurer oh would you like to share the Statewide honor that you have um yes yeah I was just nominated in as the treasurer for the member of color caucus for osba state board so yay thank you so much it's a great honor oh I just want to love a
story because I like the fact that they all kept saying how education is really about stories but the Arts are really really important they're really important to my family and we had a choir director a number of years ago this is a long time ago who was really into inclusion and wanted our special needs kids there all the time and um he would find a place for him but they were there and they had a snap and the kids came out one time they said this is why we love it because there was this young boy and all of a sudden the teacher looks at him says Johnny and he looks around like he didn't know what's going on and he sat back and said beam me up Scotty coming all over school you know
that was the one way every kid understood there are times when you really don't want to be the spotlight and everybody would like to beam me up Scotty yes but but the Arts give to places for kids that no place else in our schools seem to be able to do I think so I appreciated that very much thank you all right now to the exciting stuff policy committee all right so we had um our policy committing meeting and we went through first read of several of our our policies um around special education and um talented gifted programs School counseling program our Assessment program admission of non-resident students suspected abuse of child reporting and reporting of suspected abuse of a child and those are in our first read and they're oh okay and some of the
updates that we had during our read were about changing some pronouns and at and adding there for his and her um we also added language to provide a student's parent an opportunity to discuss and provide input on some programs and services and remove remove bracketed language regarding the materials used in the counseling program and our Assessment program we had the removal of the essential skills from the assessment program and added language detailing the process for a parent or student topped out of taking Statewide some intimidative assessments um admission of non-registered non-resident students we added gender identity to the list of items of a board may not consider or ask from a student added only to make it clear the items listed after the only items aboard may discuss if that's not confusing come to our
policy committee meeting and you can learn more suspected abuse of a child reporting and we just changed the title to I believe align with these next the AR so it's the same title and a language change from adult or student to person and same thing on the reporting of a suspected abuse of a child and those are our we don't have any up for adoption oh we do have some second readings but none for adoption yes this is you can't understand okay we just don't have them under action items to consider okay so looking for Sega readings and adopt adoption are our ACB every student belongs acvar bias incident complaint procedure GBL Personnel records igbi bilingual education iibga electronic communication systems iigbaar electronic communication systems G or JB equal educational opportunity and JFC student conduct
there's one more where'd it go oh here it is and J F C J weapons in school for students all right so we're looking for adoption of those okay we don't need to approve the ARs right just the uh correct yeah are these the ARs that we do not need to approve are there any in here that we've got when I was I did the professional or the uh Administrative Professionals virtual session and they had said there's very few of those ARs and they're looking to move all of those ARS to strictly the superintendent so they would like to get away from that I don't believe these are AR's you need to approve also one thing that did come up in there and I don't know how you guys feel about this but this year's
support because bring it up um they said if you're not putting your policy of options in a consent agenda you should consider doing that so for these second reads or for adoptions we can add those to the consent agenda if you guys would like in the future and get them out of the way in the end since we've already had time to look at that but if there's no questions obviously so if you guys are okay with that I'll start with the agenda for a second please unless there's something that we're dealing with on it you know that needs changed Bank First readings it's been we should spend more time on first readings just to make sure that's something we care about and then I would agree with that person yeah I I know we've
done that in the past in their and get the time there were some issues with that um mainly if you have any problems with this second reading when we go to approve the agenda there needs to be some discussion that you would like a certain policy removed from the agenda so that we could discuss it at the appropriate time there's yeah but it's it's fairly rare that um anything that is after the first reading that there are many changes on those and if there are they probably end up just not being in the consent agenda if there's a major changes to those other things that's kind of what I was thinking for it's still up in the air and we still need discussion yeah other than grammatical or minor Corrections like that those those would
be okay but if it's a substantive change supposed to change um then yeah we'd probably keep those out of the out of the consent agenda agreed that makes sense to me motion passes okay so do do I hear a motion on the floor regarding these second reading and Adoption of policies I read uh I will move that we approve the policies for new red which is ACB every student belongs we don't need to do the AR right so that's GBL Personnel records igbi bilingual education iibga electronic Communication System we don't need to do the AR JB equal educational opportunity to see student conduct and j e f c j Levinson Schools students thank you second I love it thank you Dustin and David uh any discussion all right let's do a vote Dustin hi David
all right Arnie all right Adrian hi Kevin hi and myself I go I motion carries all right now we are up to our facilities committee update Kevin dumastar okay so the facilities uh committee met on November 1st to and produced a following recommendations uh the committee has unanimously approved installation of a chairlift at Mila coma to provide Ada access to the lower levels estimated cost is approximately forty six thousand five hundred and um Rick has got back to me and said that this is looking like something's gonna probably happen hopefully over the Christmas break um and then the long-term goals would be to get an actual elevator put in which would be down the road but that was looking around 500 000 which would go all three floors of millikoma and so we've set aside
funds for Joe slack to provide a detailed draft and estimate cost to add an elevator in the future and then and also a location where it would be at and then um number two on there with the committee heard from Bill McNutt on the pizza Stadium committee who is requesting funds to finish the south side of the stadium project the facilities committee has recommended the stadium project and brought to the budget Committee in mayor June so that you were saying to Paul in the next the calendar year for next year okay okay and then the softball I reviewed the architectural plans for a softball practice team room for the girls softball the the staff are looking into ensuring the new custodial meet Title IX recommend HR requirements and then I will report from that and
the facilities committee has been pretty busy so yes it's looking good thank you and just just question is that where you guys just uh it's a possibility but this not not at this time okay oh okay so we did receive a letter about a bell that's over uh the lighthouse School which belongs to the Coos Bay School District and at the time the facilities committee came to the recommendation and and the vote that we're going to go ahead and keep the bill this time for the school district and not donate it and then put it onto a museum at this time oh yeah and the preschool playground thank you that wasn't on my notes yes the preschool program so um the we sold the property over it was a proper location the Crown Point property
and then earmarked that four across the street at there in uh millikoma Boston Boston Madison and then little turkey property which would which would help for the younger age kids in that zone but now that we're looking at having a facility over here that kids that are over here are going to need a playground they're going to need something and so we were approached on work we could possibly find those funds that already exist and uh this is one of the spots that we're looking into right now the tap into those funds I'm very recommendations uh they're gonna go back on pricing and see where we're at on a budget budget wise and then get back to us yeah Carly will be coming to the next facility meeting with three different uh estimates or quotes
on what it might cost for a playground in this show um and then bring it back to our next episode we're good now just triple checking thank you very much thank you thank you thank you guys to help remind me about the schedule around millikoma and the moves and I I what are we looking at doing in the next Years Around Noah comma I can't recall now where we have ended up we're closing down [Music] they're all moving about as soon as we get the left hand grip so the lift should begin no the list should be in around Christmas so they'll go they'll get into the school year just remind me if you could and then we're looking at uh milacoma moving to the blossom which would be a temporary holding it for I
think the shoot for about a year okay and then the students there currently a blossom will be shifted we're looking at the different options we have for the facebook.com that's why we're looking at a priest or a playground up here for the younger ones there'll be some kind of shuffling basically to leave the building and occupied so we can move more quickly on the on the renovation yes because they were saying over that melanchoma they'd have to rotate pods out and so no matter what they're going to be around construction noise and yeah okay yeah Growing Pains good thank you for the question okay no other questions for Kevin that looks like we are up to our action items to consider oh did you have a question oh that's not an accident um okay so
our action item number one is around our approval for nominations for the equity advisory committee and Paris is up that week thank you so at the last um board meeting I shared with you the nomination process the equity advisory committee um I would like to note um actually received that suggestion from the diversity equity and inclusion team here in the district um and I shared this process with ode around Equity advisory committee and they were really impressed with that we instead of an application format that we used a nomination format and I think the results of which in your packet Pages 82 to 89 we shared with you the actual nomination in the feedback and um the questions that were responded to then when I uh did I convened the directors um Candace McGowan and
Michelle Barton and Vincent de Savio and Chad Putnam to help review um the nominations received and what we did you'll see in this Matrix the legislation requires that at least 50 percent of the equity advisory committee be comprised of the groups these underserved historically underserved groups that are on the top of the table I gave you and we went through the nominations and did an analysis because as part of the nomination process people identified which of these groups they represented and obviously people are intersectional so they have lots of different identities but we wanted to make sure that we were having a diverse group um I was pleased we had 25 we received 25 different nominations which was much larger than um you know a functioning a group so we did have to we couldn't
select everybody however we went through and mapped out and picked what I put in front of you here is who um the directors and myself are recommending to be a diverse group um I have some comments we only received to Community member nominations and two staff members um we received a tremendous amount of family member nominations and student nominations so those are the two groups that not everyone who was nominated were able to but we did do a hundred percent of the residents and the staff um but I like I I think you'll see we have a very diverse representation on the equity advisory committee that is in compliance with state law but I also think it's the right thing to do besides it's not just a compliance exercise this is an equity advisory committee
we need diverse perspectives on this Council so um the legislation says the superintendent brings forth a recommended list of nominations and then the board considers it um for approval so this does as it's in the item fraction if it does require Court actions and the family members are probably residents as well oh absolutely but those were the people that that was the only identification they selected they didn't have a family member yeah exactly or they didn't work here they weren't students so that was their sole connections with his big Community whereas a lot of these people like obviously students are they live here too like all of them would be in the residence category can I ask you to uh if you know most advisory groups have an attrition Factor yeah uh who are you
planning to use the people that were not chosen here or will there be an ongoing nomination processor again these are some thoughts about how that would work well my preliminary thoughts and and suggestions is a disability to your commitment but then next fall we would revisit membership and nutrition and then we could um start the process over again my rationale being we have mobility in our community right and so giving people each year baby can move into the community or um their children become kindergarten you know the baby parents if you have children right now they're not as engaged they want to be it gives new people each year the opportunity to put themselves forward to participate um instead of so it's like a snapshotting time instead of preserving this snapshot time without allowing each
year new people to have the opportunity to um potentially participate that's what I'm asking but if you have I think that's a good idea I think also that you know keeping a stable group of people that work together is not introduced new people along the way all along the way also has some value too that continues you keep introducing deep new people it disrupts the relationships and makes it hard for groups to form so any other discussion questions for kids do I have a motion on the table I'll go ahead and move that we approve uh the Slate for the equity advisory committee as the forced by Karens thank you David thank you Ernie session sorry was anybody disqualified it's not on this list of course no everyone was considered who was nominated but I
just want to try 11 people who were nominated we didn't have space for you did that answer your question all right Dustin hi David hi Ernie hi Adrian hi Kevin hi hi motion carries um up next we have vote on our osba board of directors position nine and it looks like we have Jackie Crypt from South Coast CSC you only have one option yes same as last year yeah um I'll I'll move that as as before we cast our our vote for the osba board of directors position nine for Jackie Kirk from South Coast CSD thank you Adrian thank you Justin any discussion hearing none let's vote Dustin David Arnie hi Adrian aye Kevin I myself promotion carries our last action item on our agenda is vote on resolution to adopt the osba legislative priorities
and principles as recommended by the Legislative policy committee is there any discussion on that or explanation so um I'll move the uh um adopt the resolution or vote to adopt the resolution um proposed by the osba Legislative priorities and principles as recommended by their legislative policy committee I think I messed that up somewhere but you did great that is beautiful thank you Adrian do I hear a second I'll second that thank you David any discussion is it in our packet because I don't really know what we're talking about okay that's a little bit in the back it was mentioned during our regional meeting tonight for um every year the osba asked its members for legislative and policy issues which we may be concerned about and it was noted that you know the the email and
the ass went out to everybody and essentially nobody requested any what suggested any legislative or policy things that they were concerned about for their District so that includes all of the the districts within our ESC folk so if you have any legislative priorities things you'd like to consider things you're against policy issues that you might be for or against when that ask does come and it comes out yearly um if you if you have any suggestions or recommendations they they'll definitely be listened to and if you're the only one out of you know I forget how many districts are in our region and your your voice speaks very loudly at that point um good to know thank you for that question not all of us were able to go to the regional meeting so Adrian
thank you for explaining that and are we do we have any other discussions aye David aye Barney all right Adrian aye Kevin hi hi bro I and motion carries that oh and I'll do a reminder out there to folks who might be interested in our facilities meeting which is January 3rd at 9 00 a.m and our next policy meeting is December 1st at 4 pm thank you so much and have a great evening thank you
