Were you aware or are the students aware that we are seeking out some students to join the board? >> I am not aware. I've had a conversation with that. >> Yeah. >> Mr. Quest the official jackets. Yes. >> And these are just like ones
that you have. How well is it? >> Um, in my experience, this is the first year that they're taking out jackets. I just learned about if anyone wants to, too. All right. Next up is RNC. Good evening. Thanks again for the opportunity to be here tonight. The last couple months, two months, a lot of work has happened that this is kind of a brief agenda where I get on the project updates. uh the program overall schedule and the program overall budget. Um we won't have much photos at this point as we get closer construction. We'll have a lot more of those posted photos. So some time for some questions and clarification. So kind of jumping into it. This first two months uh is really just building that foundation. Um I know we've gone through that
management plan. It's it's an extensive amount of work that really builds that foundation and deliver our promises and what we're going to deliver. So we've gone through our management plan establish that bond oversight committee. We met with that bond oversight committee on my committee and that first meeting off those folks. So it's been very productive. Um we've also gone through the selection. Um and a lot of this stuff is included in the man. We went through the selection process for architectural services. Um we did receive a tremendous amount of um interested parties. They submitted those. We shortlisted those folks. We had an opportunity to review and interview those folks and be selected brick architects are familiar with that selection. Um so really excited to get through that process. It's really exciting to start right now
where we are is in kind of what we call a pre-esign phase. Um actually bring architects and us to be out there this Friday and start investigating sites to really start scopes. Um so those type we're going to take advantage of Thanksgiving break. So we've had multiple meetings um and currently basis we'll scale that up to make sure all the information accordingly. So um professional services we went through the selection process process process go through that these are all owner presented um uh professional services that will support a support we got a lot of um interest process short list of those folks that are listed on that screen a lot of good quality folks started to engage those and start talking with those folks on timelines and scopes etc etc some of those folks will
support the architectural the brick team some of those how we structured our work packages is some of purchases so we're looking through the lens we want to get as much work done at best value some of these projects instead consultant mechanical folks into that directly. So those folks will support that area. They're really to assure quality assurance and quality control. So there's some security components that we met with Sean and his teamm identify kind of not pod but really identify how we can incorporate those scopes. And then just from a grant standpoint, I know the district's been working really hard on some federal grants, some other grants that are out there and also some other. So we're taking an approach to try to turn off that we can try to push that that scope. So
we'll go to the next. So program schedule. This does not include kind of the procurement. This is really just the kind the milestones. Um this is part of the management plan. We kind of broke this down into four major categories. Um the first one is is we looked at it we acknowled our goal is we broke these out into four projects that first work with the design team and some of those consultants that are on board to try to see what we can get done. try to get some of those scopes done to minimize inflation, minimize cost, minimize that with the goal of only doing the projects be successful. We don't want to start the project and start to find out those. So that's kind of how we structure that. We've gone over this with
brick and we're leveraging like I said all those consultants. Um there's much more detailed schedules that we're working with kind of design team. These are just kind of highlighted schedule. Nothing's really changed from the last time. We will update this will communicate according to future presentations. This next is just the program budget. So again, this is part of the management plan. This I will say is a roll up budget. there's much more detail that that we're working with with Karen and her team to make sure that you know the not only the original budget the current budget committed dates all that stuff. So as as we meet with folks, you will have more detail to share what I will say that work package. Um obviously we have that with Karen and her team on kind
of sitting down making sure before we hit the ground running systems processes in place so that agreements once agreements are in place purchase orders in place once invoices are coming in system. We haven't had a lot of those yet, but I'm confident that this team will processes. So, and then kind of the bottom basis just hitting on that this doesn't change. It's just kind of a reminder of how we started and how we got to where we are today and what that includes and what that doesn't include. So I think some of those identified in there's some stuff that's outside of that like interest that's not in there currently but we built that based on we always like that. So there are going to be times where the project comes in under budget and a
lot of times that's our goal. So we get to the point where we have a system and process in place that we will be able to work with parent to move the funds around. So that original budget column that you see is not going to change but that current budget might adjust accordingly. It might go down to kind of what program savings or bondies etc. So um this is kind of a high level right now. I will say that for package number one again it's zero right now. We might lose some fun at this point. So, so next page photos like we don't have anything interesting right now. We would post something but we'll we'll get some meeting photos etc etc. So I ran through that pretty quick. I know it's a high level. I
know hard to articulate all the hard work that's happened in the last couple months. I feel very comfortable and confident where we are. We have good architect on board, good professional services, good team culture, I will say for just the district leadership. It's been blessing getting direction and answers on time. That's sometimes our hardest getting direction. It's been very nice to be a part of that. So I'm not sure if there is any questions or clarifications. Um, >> yeah. >> Um, and maybe it's really more a comment if you go back down there. >> Um, I know there's a ton of information in this one and I feel like >> the I can read this. >> I can read this, but this one is even blurry for me like to the point where I'm like
annoyed reading it. It's beautiful from a distance, >> but if we could maybe put it in a format that's more readable on the computer, that would be fantastic. What we'll do is what we typically do is make that as an attachment. So we'll have just a snapshot. We're just gonna speak to it >> and then we'll put on >> I even tried printing it at home because I thought maybe that would make it >> and it made it worse. I was like, I have great eyes and I don't know anyone in here who doesn't have great we'll develop these as we get going forward. We'll put some just attachments >> program schedule program budgets work packages some of those things that you'll be able >> Yeah. And then the the project updates even broke out
more. So it's not >> I don't know what font that size it is, but it's tiny. >> Yeah. >> Again, I know I read it, but I'm aware of I have a daughter who doesn't have great eye, so I've been more aware of that in my life lately. >> So if we could just make it easier >> and even some of like the bidding is happening on these couple weeks, like maybe hit the key the parts that you notice, right? Like we don't need to see so much detail. >> When are we going to see shovels dirt get closer? This is just our road map. We get closer and there is this is a program very detailed project. We're happy to show that as well. So yes, good point. I was like, >> I didn't
think about that. >> We'll make these we'll probably leave it the way it is. That's just a reference point. Thank you. >> Sorry. Will you have a a better idea of what the budget will be for the project package after you do your walking? Um I would say so I didn't hit on that I should have. So right now we're doing some preliminary middle of December the architects and us have a plan to put together kind of a work not a work package but an understanding of all that existing conditions and what that say middle of the better understand middle of early January middle of January have a really good understanding. So we're going to take that information we're going to send it out to a cost estimator. We're going to work with the cost
estimator better understand that as well. So these are based on the bond language based on our experience of what we should put into contingencies and what we need to hold back and what we should be telling brick and the design to they do account for we've never been a part of the project that doesn't have fun. So these are high level we're going to know a lot more in the next 45 days of what those are you know each and every day. So to answer your question not next week but probably have better understand your time. >> Yeah. Thank you very much. Appreciate it. >> All right. Next up, public input. Do we have any Jen? Nice. All right. Admin reports what hanging out for SCS. >> Okay. Um yeah, just hit on some of
the usual things at this point. Uh end of fall starting to head into winter. So we completed all of our testing, all of our 100% kind of data uh and goal study meetings. We did our first cycle of interventions as well 20%. We make adjustments based off uh how kids are doing in their reading interventions. Uh, also mixed in there, we're slowly dive a little bit into our new fifth grade math. Um, and things are going pretty well like that. But all in all, because last year it's been smoother than anticipated. Um, also you guys see some cooking class today. uh STEM classes, cooking classes that we added this year have been going really well. So all four to eight graders are either fourth and fifth everyone in STEM or twice a week or an
opportunity to take some sort of STEM or some type. Um, so those classes are going uh really well after the school smells like food in the afternoon that will wear on you. Let's see. Fall sports wrap up. We had a really good fall sports season. It was nice to see the kids getting some really successful football undefeated which was awesome. Had a great chance of those games last extra sweet. Um the volleyball team had a ton of stuff and they did pretty good. I want to say around 500, but they had a lot. So the bull sports, we still only had one football team, but we ended up playing a couple 111 games, not just we played Dunway twice. I kick goes to Dunway. Their eighth grade team isn't super strong, but still team six
school. So that's a tough number. And then cross cuts the eighth grade. They had solid numbers. So yeah, Friday activities are off rolling. We have about 75 check last week. Kids signed up for Friday enrichment. roughly 50 showing up Friday, which is the highest number we've had last year since we started doing it. So, that's great. Um, we're still running on Friday bus routes. I'm definitely seeing an uptick, especially for fifth graders coming in on just supports, too. So, those things are all still off rolling. So, those practices, we see a lot more music kids coming as well, just to get a little bit extra time. So, it's nice. There's a lot of kids around people. Um, let's see. Got a couple of staff highlights. First one, I mentioned Miss Garcia there. Missia is a
second year teacher for us. She's a middle school science. Um, she's doing a fantastic job. She's very quiet, very reserved person. Uh, and you know, she came from California and was kind of a culture shock here for for a little bit last year, but I got to spend some time in her room last week, the week before, and she's just the middle schoolers are doing a lot of hands-on learning, a lot of really highly engaged stuff, really good tie, and it's just a great energetic room to kind of see that taking advantage of science lab a lot more science teachers. It was just really great. So, I want to highlight any work she's been doing. She's also she's jumping at opportunities for Spanish speaking opportunities. She's she dies in it and it's just been so
I wanted to mention her. It's she's been an excellent addition for us. Um I also mention Mr. Mike because Mr. Mike is a godsend. He is our daytime dist and those of you who don't know Mike Banic is maybe the most loved person in the building. He he has kids follow him all time and again he's got a couple kids who just want to volunteer to help him out. Some of our kids who struggle but he really Mr. Mike and he does his job with with grace and humility and then all these other things. So I today. I had to text him and say, "Hey, HVAC system issues poof fixed in three minutes." And he high school fans, all kinds of stuff. And what made me think of him is last week there was a
massive pitbull and boxer right in front of the school and the company. I went out there that afternoon. This is going to be interesting. Guess who's right by my side? Here's Mr. Mike. FedEx pulls up, tosses Mike a bag of dog treats, and Mike has just got two best friends. Like, they're growling at me and they're attached to the parking lot. Uh, and we ended up obviously ended up walk um upcoming dates. Uh you see I had a tweak on there for concert 17 previously 16 addition switch there. Um we also have middle concert and then I tried to throw in some pictures. These are actually pictures from both Miss Margo and Miss Garcia's classroom I mentioned earlier. There on the left is some seventh graders doing some water density testing for their labs. And
then on right uh we had a hands on candy celery decoration or plant size and candy sauce with the six classes. So, just a couple pictures of some activities they were doing there. Um, kids had a fantastic time there. I know it's kind of small now, but you'll see Mr. Chadwick's class. The sand got dropped off two or three weeks ago. They you can keep track of those on Facebook, too. We have a whole sage. But that lady there, you can't really see her, but she's got a fresh sailing experience showing to the kids walk through the tank. So that was really fun. We had that a couple of weeks ago here. We got fourth grade and our one of our fourth grade teachers happens to press and stuff and we had an Apple press
activities day four. So that's me trying to manually turn an old Apple press without throwing it back out. Uh but we had a blast. So those are just a couple pictures that day last month. Um and then yeah, we added a few more but I don't know if they ended up on there. Yes. >> This is our third grade. Um we got to add survival swim this year which is awesome. So survival swims at the Aquatic Center. Uh it is a program you can do that they branched outside and so our teacher Alex Moore approached me and said hey I found out about this actually happen survival swim is actually learning how to swim and survive in water class. So right now this week, Monday through Thursday, all of our third graders are going to
back pool is one of our volunteers and they are going through a set of different activities. The final test, they jump in and they're stream. But it's been fantastic. Um it's been a really fun week. Our come back very exhausted every day this week. Um, but I just want everyone that's but it's been um it's been really cool and I wanted to shout out this because she she brought this planned it. She executed it. It cost about $600. She has a private donor who happened to be personal. So literally she made the entire extremely cool on which is just >> Yeah. Is the are the cooking classes happening in the kitchen? No, they're uh they're homebased out of her classroom upstairs. >> So, it's a lot of hot plate stuff, a little bit of ingredient
mixing stuff, and then she'll take it down to the oven and staff room. Um, and then she's going back and forth for cleaning. This one beer is really doing a great job class. It's a lot of extra stuff, but it's also the most class. It was a club we were doing when she actually worked for extension for the last two years and then we had the opportunity to hire our staff and she brought some. >> Yeah. Super cool. >> And not you don't have to do this today but in the future. Um can we get an update on the travel? >> Sure. The grand. >> Yeah. Yeah. We uh we've had two trainings with Cassie Cass. So Cheyenne Cassie the travel curriculum head curriculum department. Cheyenne actually teaching position over. So Cassie took over as
primary. She's trained um all fourth grade and eighth grade which are two implementation grade levels and anyone else who wanted to come six or eight other teachers who sat in um and she went through and did an introduction of the why is how to access the curriculum what do you need? Um and then I uh did a bunch of book deliveries for all the teachers in those grade levels. Um and then we are going to do check with them as far as they are starting to teach the lessons that there's about one per subject per grade. So any given grade about four lessons and they're kind of standalone but you can start actually so but yeah I can maybe get some pictures or even a little talk on how one of those Yeah, it's been
it's been pretty that aspect. >> All right, questions didn't necessarily touch on. >> Go for it. >> How is the cell phone policy going at school? What's it being enforced or how well has it been enforced? >> sorry, the cell phone policy. How's that >> cell phone policy? Um it let's see right now the full rule of importation so that uh we've had a lot of talk reminders right now I would say 80 to 90% of the time it's pretty solid we have individual student problems um versus a systems problem. So I would say there's been a handful of times in a particular class where we got to remind staff, okay, this is what the expectation is. This is what we got to do. And then there's been a handful of students who have a
new way to push it and kind of addressing those little um but overall I would say we don't have a lot of big student escalations over it. We don't have a lot. I'm in a communication group called a lot of middle school principles in the county and it's been really calm. Actually, that's one of the talk about there is it's been relatively calm as far as it's definitely not a man there's cell phones out everywhere in the classroom but it's still in the hallway. Yeah. >> So come January one, that's where it's they're not at all the >> time. Yeah. Yeah. Kind of January one is the big >> Yeah. winter break. >> Have you spent time in our policy then to make sure it adequately reflects what we want to have happen in school?
>> Yeah. Uh Dory, when the first one came, the first iteration came, Dory shared with the admin staff, Pat and I chimed in a little bit. Um I think the big kicker was we, my opinion was we didn't want to have to get in a power struggle with is it somewhere hitting on your body right now? >> We want to teach in a respectful way of is if I don't see it, it's not our problem. We go about our day. Now, if I see it, here's how we're going to respond, right? Okay. But if you have something, it's the same as what my son's going through. If you have something that's in your pocket, I can't hear it. I can't see it. I never see it. That's that's your problem. Pat. Uh so we we
kind of there's some options in there and some of that personally I wanted to go more that route. But yeah, as I read through the rest of it, it looked pretty strong. So >> I think for you going forward, you just need to remember like it's a new policy for us as well. >> And if you see something that needs changed as you're implementing it, bring it back to us like >> we can't change it all, but we can adjust where we can make it right for our district. >> Yeah. And I think some of the tweaks we put in as far as that part and there was some stuff around behavior response if you customize that a little bit I really liked because there's difference between this is a cell phone problem or you're
using this to defy an adult's direction which is hand. >> Um I'm just curious about next year for volleyball. I know this year I found out that the fourth, no, the fifth and sixth graders are combined team and I didn't realize this until this year, but they're playing against sixth graders because they can't play in their I don't know if you know >> this is my daughter's team and she was really frustrated because they lose a lot of games. Do you know if they're going to be playing against kids in that grade level next year since we had a lot of fifth graders, not many sixth graders? >> Could be. So the school sponsor ones are only seven to eight. >> Anything six quarters is is agile or some thing. I know a little bit
of that world. I coach my own kids. Um some sports I football has combined everywhere. It's three, four, five, six. Some sports like volleyball, they will do a combo team, but you have to play the older age. Yeah. >> Is kind of how it does. >> But honestly, I I don't know much more than that. I know in middle school we a couple of sports including girls basketball kids football with sixth graders to make sure team but that's been really common in fact doesn't have girls basketball team even with six. So, we're seeing more of like this is an eighth grade basketball team. That's a sixth grader. That's two seventh graders. That's threeth graders. >> All right, one last one. Um, this is going to field trip policies because I've noticed I've been on a
few different field trips this year and I know there's been a few things that come up here and there with how um one how how the field trip is presented to parents because I know when I get a slip it says where they're going. Um, and where what time will leave that sort of thing? It's just a correction thing. >> However, um, I know there's been issues with, well, I've noticed at least when we went on the pumpkin patch for trip, >> we went to pumpkin patch, but then we also went to a ground for lunch, which is fine for me as far as like I understand not patch. There's a lot of other schools there, but that wasn't in the field trip. So, how are we how are we putting together our field trip
permission slips and how are we holding our teams accountable to making sure we're doing what we say and making sure our parents know too and being transparent about that. >> Yeah, it's a great question. But but yeah, we have that standard field and then that form gets turned in as the parent permission slip and it's very tweaking that making some of that like here's the plan. >> I also think putting an opt out on it would be a good idea. I found out there was something that happened this week, you probably know that they shouldn't have on wheelchairs um where kids went supposed to. And so making sure that that's they're that the options are clear. So we have to opt out for the parents so that when they send it back, it'll be regardless
of whether they're going on the trip. But just I don't know. I think >> maybe they're for improvement on the transparency in that and the the wording policies as well. I was looking at the policies we have pretty minimal on what we >> have. Yeah. >> I got one more question for you. >> Sure. >> So the SHs comes here and gives us a presentation. What would it take to get SCS to do the same? I really enjoy the SHs ones and I they're missing out having a kid come here and >> love it. >> What kind of a dream would you want to see? I think whatever works for you. I think maybe you've got a few different students that would would love to do something. >> I know a third grade threat head
would love to present next. Yeah, it is cool. Maybe even >> time to get a kindergarter maybe, but but maybe I can spin that. >> I think it's a great way to showcase our students right here in our room, which is why we're here. So, why not? Okay, little calendar right now field trip >> and I can maybe connect with Dory. I think that's pretty especially >> Yeah. And they don't usually come in the summer, but yeah, just what works. Even if it was every other month, whatever. >> Yeah. >> I just think it would be a lot of fun. Yeah, it sounds great. >> Even something like that would be >> it. They like it or not. to the board for every class. >> There's a lot of student, you know, >> Yeah. And
talks about different things going on. Maybe somebody talk about the cooking class or other things that are exciting going on. >> Yeah, we can definitely do that. >> And with all the band concerts and different things throughout the entire year, I remember last year when we did the big band concert and they had, you know, drinks and stuff like that, making sure we have like recycle bins that we can collect those deposit cans for the end of the year. Yeah. >> Try to keep that a thing between the high school and Yes. >> Yeah. >> When we start throwing all those cans for graduation together, it's >> like all the cans were just going to the garbage can last night. >> Yeah. >> Great time to save those. >> Yeah. >> Have to figure out
those. >> Yeah. I don't know what the the bond project's going to do. >> All right. Any other questions? >> Yeah. >> Superintendent report. >> Good evening. We're November. Um I wanted to touch on um the district having a charter. Not all districts sponsor a charter. So, key points to keep in mind. Um, we negotiated the five-year contract last year and went through um that language. It was a a really good process done completely online, which was nice. We met virtually and um at that point in time, we um made the decision to release special education programs to the charter for them to manage. And we had to work through that language. We looked at other charter schools um for that. Um but it's just a good thing to keep in mind. They have their
own board of directors. Um they uh the annual report um from them is in their in your board packet and they will come next month to present um Dr. Watson and um and possibly like a school principal. So um that'll be or their principal, academic principal. So just a good thing to keep in mind. We also um through the negotiations um uh basically did away with a cap on their enrollment so they can continue to enroll students. Um there's certain amount of data that we report their data as part of our data and so we have to work with the state to tease that out so that it's not like for example we want to pull up high school data it will include theirs. So we have to make sure that no we just want
shared high school data not also shaws. Um so just some some things on that and they did include um in their annual report how they're doing on their performance and they have a couple of shared grants with us. Um they do the outdoor school grant with us and they do um also um we are under a school improvement grant a small amount of money that they have for credit recovery and we're also using credit recovery. Okay. And enrollment we're keeping an eye on our enrollment this year monthly. Uh so this is where we're at for November. Um FCS is just about the same. We were just really standing there. We had a few more families um uh return from um having transferred out and came back this last month. Um the high school um I
did look into why the drop and we had um just some families that had moved away and when was a transfer out and then um I'll just start doing this as a comparison so you can see for the months. interesting that we stayed at um for October and November. And again, that is because the um growth and enrollment at FCS. All right. And an update on Barbara Roberts Career Tech Center. We are preparing for the 26 legislative session. I did have a very brief meeting um earlier today with Representative Ellen uh just to talk about the legislative ask where we're at um with the process. There's a lot of things up in the air with our state budget and we're going to need to wait until we're going to get more of a better when
we get a better idea of school funding, but also just where the state is at overall. In the past, groups like with this project would go through their local rep and target um lottery funds or Christmas tree funds or different pots of money. So um we're looking to request 5 million. Um we are getting um partnering up with PSD for additional support and also with our partnering districts. And on Monday I have a superintendent lunch with the hill county superintendent in which um Dr. Warlock from the ESD is going to attend. We're going to be talking about ST and the direction that we are heading. All right. District um scorecard 2526 annual goals. Um I just wanted to um review very quickly. Um I know this is hard to read, but Elaine did a great
job on bringing up this is our strategic plan through 2029. our three pillars of successful students, connected community and invested employees, our five-year goals. Um, and then we go with the district scorecard in which these are our annual goals and this will be on the website and I can also just email this out to the board as a reminder. The data on here has to do with our surveys. Um, so that baseline is what we did recently in our survey and then the comparison is what we will do next fall. And so you can see the goals in there under successful students. Some of those are more the school culture like increase the student experience survey for number 16. I like going to my school each day. Um and then the graduation cohort for 2026.
Um also the passing rate for the high school. And then we have that elementary and middle school invested employees. So we do an employee experience survey and we do what's called a year rounding um with our employees and um one of our goals is even just to increase the participation. Um people are still skeptical like why is the district doing this as much as we try to communicate it out that this is part of hardware and continuous improvement. We need to hear from our employees and it's about recruit and retain a highly qualified staff. So um one of the ones that we are working on I receive appropriate recognition when I do good work. There's a reason why as principal Adam comes in and he will tell the board the staff shout outs. These this
is a key part. Um and then he will turn around and email the staff what who was recognized. And so we just want to make sure that um we we keep that going. Um I will be working with the district leadership team on Friday that we will come up with our strategic actions for each of these and our progress markers for the year and then connected community. So last year we had the goal of passing a bond and yes we passed a bond. So one of our goals this year is that we will have a bond oversight committee and we're going to provide those community reports about the bond. Um we have the bond website. We are keeping that up to date. Uh there's a nice picture of our bond oversight committee on that website.
Um I'm also working with Elaine on recognizing our business partnerships, uh community partnerships. We talked the other day about how using our district website to feature um a partnership like Churches United for the West Valley and how we serve Sheran School District. Um Rotary Club for the West Valley is another one. Um so we want to come up with those um many things that the YCCCO does. So um just be looking for that on our website as we continue to improve our external communication. All right. And then just a bit of information. We were awarded um a federal grant. This is 500,000. We will have more information um next month for the board on the grant with the details. You do see a resolution tonight for approval to accept these funds. With the government shutdown,
it took a while to get the information to get into the federal system, accept the funds. Um we did receive an official award letter and um just today um Elaine as communications sent out a press release on this award. So, this is school safety, um, violence prevention, and many of the things in this budget for this grant have to do, um, very, um, strategically with what we were going to spend the bond funds on. So, it's going to help us to stretch our bond dollars. We were super excited to get this grant 500,000. Oh, and I did include some of the details. Okay. Fiscal match. The fiscal match were the bond funds. Um, and then I listed off exterior and lighting, hinge, collapse, intercom system, access controls, cameras, all of that. So, we'll we'll stretch
those dollars. All right. And then also an action item is the SIA grant agreement. This was a big document. And um the the SIA provides for a well-rounded education, reducing class sizes, and student health and safety. Those are the three buckets for the SIA. Um you saw in the grant agreement the amount. What we don't know um is if there will be cuts for next year. So um we're just u being very cautious. It does fund six positions. So we do use it to reduce class sizes. And also in there is a portion of our Y county contract for mental health services that we have a 1.5 FTE coming from the county. So, that's a very important grant for us that we're going to keep going. Um, once um this is up for approval tonight,
then um it is going to be posted on the website. It gets um signed and submitted back to the Oregon Department of Ed and we have to give them the link of where it is on the website so that the public can access this document as well. >> All right. Comments or questions? Uh for number three on successful students on the score card um are we looking for just any increase or is there a specific what it doesn't increase >> the passing rate. Yeah. It's it's basically can we make and that is that's a very broad goal. um the school will get more specific because they're going to dig into their data and look at let's make a um a goal of based on last semester how many apps did we have and start to
knock that down. So it's not specific on any um uh any certain content area. It's just a very broad goal that we know we need to increase the passing rate for high school students. Okay. And then what does that look like? And so their strategic action might be um that they have more students coming for help on on Fridays. >> Okay. And how will you measure that? Because everything else is very measurable. >> Yeah, they need to set that measure and um they will be looking by semester. so we can look at the progress reports and then coming in January and then um they will have uh I know um Pat is working with the staff on getting the specifics on that and what it's going to look like semester semester >> and certainly this
leads immediately to the graduation rate >> and if you remember when Roman spoke on um nth on track >> that is also tied into the pass and rate Okay, cool. And um did the new board members get the hardwiring excellence and education books? And if not, can you get them? >> I don't think so. I can definitely get that >> because I I received the book like just be honest and then I was like another book and then I actually read it and I was like wow like this really makes sense and they talked about how this can work in any aspect like they implement this in healthcare and other settings. It is just amazing all the um the nine the nine um >> I cannot call that >> nine elements elements of leadership. >>
Yeah. And how it makes an impact but this is the work we're doing here. While we're on this one, um student experience surveys and even the employee experience surveys are given the option to opt out of those or people to take them if they're if they're given the option to opt out. >> Well, we know how many people participated. So there's 20 questions and we can see exactly how many participate. Like the first time we did the parent survey, we had 147 parents participate. I you know I was hoping for over a hundred and we did not have that. We did get 85 participants for the employees. We have about 112. >> So >> we see the overall participation rate. Um but other than that we just want to increase it and want people to
participate especially our parents. >> Yeah. >> It's a it's a good way for them to provide you know really strong feedback for us >> and this was the third time we gave it so I think it's it's starting to get more of a routine. >> Um going back to the shop you said that the outdoor school grant was shared with shop right? Do we do out school outdoor school with them or do we do our own separate? >> No. So we the grants jointly like two branches. So Jesse and I all the questions together but we have to have our own budget narrative that I do with Karen and she has her own thing. So like we did camp out last spring, they did a camp this year. They just went last month. We're going
in June. So there's a 20% reduction in that. So we have to go closer to home down. >> Any other questions? All right, moving on to our report. Exciting part is about the audit done. Corey was going to come next month to present the audit, but we put it off until January. So she said that you should get the draft by Friday and then you guys always get the board executive summary. Thankfully, she said there wasn't she didn't find anything. And then like there's the resolution to accept the cost. That's it. Any questions for um if we wanted to see the line by line thing again. Can that be whatever but uh when we have the all the lines and stuff. >> Oh, that like that wouldn't have all the lines. >> The checks, I
guess. >> Yeah. >> Okay. >> Yeah. >> No, I like seeing it, too. But last time I brought it up, I was the only one. So, I just figured if I wanted it, I could get it from Karen. But I think if there's more than one of us, then we should add it back in. >> Okay. >> If it's an easy thing to do, >> so we can just do that and then I'll do the other one. >> Yes. >> Yeah. I like that page. Yes. That way. >> This is nice. >> We don't want to create a bunch of work for you though. So I don't know. Are these easy reports to put together or at any time? The checklist is easy to do. This takes a little bit of anation like once I've
got my spreadsheets. So, it's totally up because this just pulls out of the check register, right? Yeah. >> So, it's easier to check register complete. I feel like over the I feel like over the years we don't catch every we don't see things like every month necessarily have questions, but I feel like over the years there's been some really good questions that come from that. Even if it's small, like there was a time I'm thinking of when we were paying for um those hotspots when we weren't using them anymore and we brought it, you know, like things you might not know but we knew we weren't using them and we brought it to your attention, you were able to cancel them or whatever. Um like little things like that can add up in a little
district like ours. So >> yeah, right. With a reduction in our our students, it it we definitely need to be watching everything. >> But let us know if we're creating too much work for you, too. We can adjust. >> It's super easy to do in the check register because it comes right out of the system. Um, and this is the one that, you know, is my favorite to look at >> because I want to see that we have 1.4 million in income balance. That's where we're standing right now. And we'll see how the rest of the school year rolls out. That's that really is, you know, as much carryover as we can possibly have. November is my favorite month because we get all of the tax like the first tax money. So next month we'll
have a lot of revenue. >> Yeah, for one month. >> All right, any other questions for >> All right, moving on to new unfinished business. We have the OSDA conference which Natalia and I um went to. I also went to a conference right before that with Greg um that was put on by Pacific Research Institute. Um, also a great conference that was only one day. Um, you should go first and talk about. >> So, here's actually what I'm going to propose on this. Uh, Dory would like us to give an update on what we learned. I actually think it's too much to talk about today because it's 7:01 already and I'm not saying we need to run home by any means, but I also want us to be able to take time to go over
all the different stuff and actually use it impactfully on what we're doing here. Um, so I don't want to just rush through things. So, I would like us to consider planning a work session. Okay. >> Um, not too far off in the future, but obviously like Dory has some things coming up and all that. So, beyond that, um, it might have to be January just because December is pretty crazy. Um, where we can intentfully come together and work on these things. Um, some are really good ideas, some are things you might say, what I need to do with that. I'm just going to bring it all to the table. I'll have your colleagues. Um, and we can just kind of do a round table discussion. We won't decide anything there, but we can kind of
just But that's that's my proposal. Unless you have something really burning, you wanted to share today. >> I think we'll get far more out of it than us just right now because there was a lot to consolidate my thoughts. I still >> I know I still all over the place a little bit too, >> but it was really good. It was >> it was really good. Not really well attended, but actually I think that was to our benefit >> because then we got where we wanted. So perfect. >> Okay, then we'll do that. Uh next up, we have the student board representative who is not here. Nope. >> Um so I would like to table this indefinitely until she decides to be able to come and maybe there'll be a season in her life that
slows down and she she's more than welcome to come back. Um, so if there's a motion to do that, that would be great. I move to table repres. Jeremy, >> I >> motion pass. >> Okay, moving on to action items. >> Is there a motion to accept the RNC management services agreement as presented? >> Motion to accept services. >> All right. Is there a second? All right, that was ran on the second. Is there any further discussion? being on uh we'll go into a vote. Jen, go ahead and call that vote. >> I >> Right. Motion passes. Next, we have our policy packet. And I actually did come up with a couple of things that I noticed in there. Uh minor things. Um, so we should actually we should we should take a motion first
for it and then we can amend it. So is there a motion to accept the policy packet as presented? >> I move to accept the policy packet. >> Is there a second? >> Right. Okay. Now we can go into discussion and um I had Dory highlight it earlier. Um, we talked about this is in um for whether or not in executive session we would have media and it says the board shall make a determination within five at the that doesn't make sense. >> Five days. So, so we would like that to say within five days as a suggestion there. Any any other Okay. And then scroll down a little farther. We had >> too far too far. Oh, right there in B. It didn't stay highlighted >> in B. Uh, but between involving and deliberations,
there's a really wide space. >> So, back up right there. That needs to be >> I wasn't sure if something was missing or if it was there, but it sounds like it just needs to go together. Um, and my last suggestion is right there. Um, cameras, tape recorders, other recording devices, and use of AI shall not be used in executive sessions. I wanted to end there. It says except for the official executive session takes made by district staff. I think we should just get rid of that because we don't really make a lot of decisions in executive sessions. So, it's not a lot of writing. So, I think that we should just not use AI in executive sessions to protect ourselves. just not saying we couldn't revisit it in the future. I think it's easier
just to cut and dry. >> I think it's also one more thing we would have to vary, I guess, in the sense that it's not open to everybody. >> Yeah, I did have a change to page one uh number three bullet point A just to bring regular. Okay, >> where would it >> Google >> or PDF to Word? >> Changes noted. So we get two or sorry a number three because that one looks like it need shifted to number two formatting errors. I think formatting should be changed without us. Is that am I correct? Yeah. It's just the words that All right. So, we have um our changes. Um we we all agree on the changes. >> Okay. So, now that we're done discussing, we're going to move to vote on the amended motion, which
is to accept the policy packet as amended. Would you like to take that vote? >> Yes. >> All right. Motion passes and we already have a resolution. >> Okay. Resolution. All right. Is there a motion to accept resolution 26-04 established 257 >> as presented? >> Next resolution 26-0. >> All right. Is there >> love? >> Uh is there any further discussion? I just thought they tied. >> Oh, my only question is there a reason that it doesn't quite like it doesn't actually add up to 500. It's like $4.99 on the bottom part. I didn't actually add it up. >> It's really close. >> I did have a question. When I saw how much we were paying software, is that going to be something we have to pay on a regular basis like year after year,
every so often? Is it a one time one and done? Because that's a lot of money. >> Well, and it's one of those things. It's like I just took that straight from the budget >> and so this is just where we think it's going to go, but I don't actually go. >> Yeah. And I don't, you know, maybe the software that we did, I don't know. So, it's just basically to get it into the budget and then as >> solidify our actual grant budget, then we can make changes to this >> and within the grant system, should we ever need to change, we can put in for a request that this is not an area we're going to need to use. These are the big buckets. >> Yeah. that were just it just concerned me
like that seemed like a lot of money for software. I didn't know how often we had to like >> and then next month Dory's gonna I had done this like budget thing that broke out all these things >> from the budget in the grant award and so Dory said we'll present that next one some more information and so it's just like notification software teachers and I think it's probably the first um setup is always expensive and then the annual cost will be nearly as much so That's probably >> honestly I'm surprised today. >> Oh yeah, software might get >> two to three times. >> I just worry if we're signing up for something that's reoccurring if we can sustain that cost over time outside of the grant because it will be on us in the
future. So that's what I worry about. >> All right. Any other discussion? >> Hearing none. Jen, go ahead and take a vote. I >> All right, motion passes. Next up, we have the SIA agreement. Is there a motion to accept the SIA uh grant agreement as presented? >> S7. Okay. Is there a second? Second. All right. Everybody's waiting. All right. It's been properly seconded. Is there any further discussion? Hearing none. We'll move into a vote. Jen, go ahead and take that. >> I >> All right. Motion passes. >> Okay, moving on. Topics for the next meeting. Do you guys have anything that you would like to throw at us? >> One thing I know I talked to Adam about it, but I wouldn't mind and this would be between the policy committee, but revisiting our
field policy as what we so we can put down what we as um school expects of our staff and our students to do in that and then also just um what parents can expect of us at the school too. Okay. So, as a policy committee person, you are more than welcome to bring that up. That typically wouldn't be visited here. Perfect. >> But you could bring your suggestions here. >> Okay. >> I I think that's great. >> Yes. And I would recommend working with your admin team as well. >> Yeah. Because they really have to deal with it on their end. >> Don't get it too precise. Yes. Any other things that we might want to talk about? December is one of those months that um Dorian might not be here, which is okay. We
we run these meetings. There are meetings. We just have a superintendent report or we have whatever she just sends to us. Um I'll be really really honest with you. Um I have a whole lot of goats that are kidding in December. So my hope is to be here. I can't promise you my farm will be my priority. So Ruby Yeah, Ruby can run it. So, I'm very confident she'll be fine. So, I just wanted to give you all a heads up. >> That being said, with the elementary concert to the same board meeting, that may be a conflict between I don't know if your daughters would be in that as well. So, it's another two of us maybe. >> So, in the past, we asked them not >> to have our board meetings. >> Yeah.
We we had a difficult time in not having two concerts at the same time, one at the high school and one at Van Chapman was the problem that we were having to solve and part of it was having to do with um the accompiment and having to work through basketball schedule and we just went round and round. We have we have options. Um the board meeting does not have to be the third Wednesday. if you wanted to move it. I'm thinking we need to and you could move it to four. Um, if we have a forum, so everybody looks at their >> So that would have to take place. >> Does the board meeting officially have to take place like similar to work sessions? Can they be >> It can be cancelled. >> Yeah. like
Dory's not be possibly >> I don't think we've ever in my time I haven't been on that long so hard to say but I don't think we I don't know do we legally have to meet once a month or can it be canled I mean we've canceled before for bad weather and other things so >> I don't think there's >> I usually reschedu it >> there's nothing urgent awesome Except for the awesome grant, there is some approval. So, yes, we do need to have a meeting. However, >> It may be short because there just be some action items. >> We would just need three or more of us there. >> Move it up to the >> on the 19th is a Friday. >> The 10th. Yeah, >> that 17th isn't going. >> Yes. I'm okay
with the >> I still may not be here, >> but I will do my best. >> Do we need a motion? >> Yes, I think so. Because you're changing your calendar and it is a published calendar. Y >> plenty of notification that we will get the word out that the board meeting has changed December 10th. >> Is there a motion to entertain that change? >> I move to change the board meeting for the month of December to December 10th. Is there a second? >> Perfect. Any further discussion? >> Hearing none, we'll move to a vote. Jen, go ahead and take that one. >> I >> All right, motion passes. So, next month's meeting will be on the 10th at 6 p.m. All right, we're going to move into board comments since I didn't hear any
more topics for discussion unless you want to start with comments. >> Anything and everything? >> I got nothing. >> You got anything going on in the community? Don't do this. >> Oh, okay. All right. I've done a few things. Um, I will say it's been really fun going swimming with the kids. Thank you for not my picture up there. But also, I was actually really impressed though because at the pool today, they did tell us we have been one of the most um timely groups they've ever had. And they were really impressed with how well we had gotten in and out with our kids. I wasn't sure how we were doing, but I was really glad for that. So, they're like, "We've never had a group come this well and early because we've been waiting
for the instructors daily, which is awesome." Um, I did a walk through with Tori today, which was good. I got to get a little peek at some of the classes of the high school and middle school. I didn't really look at the elementary because I'm there enough anyways, sort of. So, that was good. I actually Yes, Sheridan trip giving have expanded through all West Valley. Um and they have tags available to pick up um in Sheridan at the market pharmacy and then in Hills Skyboards Coffee and Wildwood. Um so spread out spread the word that you know you can call for in our community um for the holidays. Um yeah, I think it got a lot of children this year because um the combined um and then I attended the um high school safe night
fundraiser at the mod and there were so many people uh which was great and also they were very but it was awesome. There are so many um things donated for the pilot auction. There's a lot of big goods. Um so I'm hopeful that they decount. >> Uh I just went to the teacher conferences. It seemed like there was a good turnout at least at FCS. >> A lot of couple teachers were gone for various sports going on at the time at the high school, but FCS seemed like it was kind of bustling. a lot of activities. >> Great. >> Really shout out to the staff at the high school but school really being out there with my kids and seeing him out there especially. He was just tremendous showing his leadership and so forth after
being advocate for those kids walking around every time every walking around the track, walking around, you know, the gym, whatever it is. It's awesome. >> That's awesome. Thanks, R. Um, I got a few things. Um, I would like to see calendar invites go out for events to all board members. Um, also many of you may be aware, but you can go in there and say if you're going or not, which is helpful to those of us who may or may not as well. Um, the bond oversight committee, uh, I know you two are like on it, but the whole board is welcome to join at any time. So, I'd also like those to go out to us. um or if there's any agendas or anything. I think the whole board needs to see that and
then we have the option to go if we'd like. If you guys can't make it, I feel I feel it's very important for us to have two board members there. So maybe you can shoot Dory a message and say, "Hey, I'm not make it because my kid's sick or whatever." Totally fine. But then she can let the rest of us know, "Hey, we're down one. Who can make it?" >> Um I just think it's it's good to communicate that way. >> I just have a question. Um if there's three of us there does that when we get a public meeting or >> we already are following public meeting law. >> Oh okay. >> Because it does report to the board. I mean I'm the laz on between that committee and this and >> and we
can go to other things al together. We're a small community. We're going to end up at more than events. We can't talk and make more decisions there which we wouldn't do anyhow. So it's never a bad idea too to like space yourself out and you see other board members. trying not to sit more than two at a table, that kind of stuff. Just wanted >> and we had already voted on all of us being part of that. So, >> back to your calendar. Is there any way we could get a a calendar of just the future events that are already planned for the year? I don't know about you, but I'd like to plan out getting better though. >> Okay. I'm just thinking a calendar invite probably not the best way to make sure I
get there. >> We came out of co with clean slate and >> we're getting better every year. >> Okay. Um vision statement on the wall. >> We need it. Okay. >> That was a take home from the conference that we should get on now. >> We need it on the wall because it needs to be where we all can read it. Okay. >> What's that? >> It's very small. >> Yeah, >> it's very small. >> And it Well, it's behind me, so that's >> probably22 and 2023. Update that. >> Yeah. So, we need everything updated and on the wall current so that everyone can see it and big for those that can't read. Um, and not behind all of us. maybe right up there or something. Um, so we're reminded. Uh, as we all know,
we uh we lost a past superintendent this last week, Adrien Grower, who um many of you probably didn't know her, but I did. She was actually um a substitute teacher for me when I was a kid. Um, and then I saw her go through her career as principal and superintendent. I was just curious, I know that the funeral's posted here. I was curious, um, what else the district was going to do to honor her. Um at this time we are just getting the word out and then um there are individuals doing gifts of recognition as they know the family. Um the growers is a very prominent family in the district in our community um and then certainly um hosting that event. But at this time we're still getting the word out to staff and figuring
that out. >> Yeah, it's very public at this point. So, um, I just thought it would be really I don't know what's normal >> for something like that. But it's not just we lost a superintendent, but we lost a superintendent that is like the root of our community. We're family community, right? Like I really feel it would be respectful of us to honor her in some way, whether that's flowers or something. Something really should come to the family. Yeah. Bam. That's what I've got for today. Um, our next meeting is not on the second, it's on the 10th. We already saw upcoming events. So, it is 7:24 and I will adjourn this meeting. Thank you guys for coming. What do you say? your stream.
