directors for Tiger Tualatin School District and I will now call this meeting to order at 6 30 pm Dr Ricky Smith are there any changes to the agenda there are none sure all right hearing none I would accept a motion I would like to make a motion to approve the agenda as presented a second motion was made by Vice chair High Mason seconded by direct Reserve Schmid is there any discussion on the motion hearing none I'll call for a coral vote all those in favor please say aye any opposed motion carries all right and with that we will invite director rose up and Lisa burtona for our recognition and good news good evening everyone um I'm here this evening with Matt Kingsley a multicultural coordinator or culturally responsive coordinator for Tigard High and um Aaron
Harris whose Publications in digital photography teacher at Tiger Thai and they're here to share with us this evening a little bit about a project that they did for Hispanic heritage but I think really for celebrating Heritage across the district yeah I'm very excited to be here and talk about this um director on uh at the beginning of the summer asked me to think about putting together a newsletter that would uh highlight some of the cultural celebrations and events that are happening throughout our district and kind of put them all in one central location I think in the past we've been sending out information you know here and there and but not in a very centralized uh uh fashion and so I think this is an effort to kind of Warehouse everything in a newsletter uh
so it was all in one place and that uh staff and Equity leaders could access um and expand uh their Horizons in terms of some of the cultural events that we're choosing to highlight so in September we chose to highlight Hispanic Heritage Month as well as two uh important Jewish holy days that occur as we know in September Rosh Hashanah and Yom Kippur and um like I said the idea was really to um to just bring attention to these events but perhaps in a deeper way that had been done before um I think you have the links to the newsletter um we we hope to kind of Define what the events are but as well to uh provide Educators with instructional resources around these events and also to provide a list of um events that
are happening related to the cultural celebrations both within our district community and also within the larger Tigard and Tualatin Community as well so I I reached out for example to the city of Tigard and Tualatin to find out things that they were doing to celebrate these events locally and those are included more at the bottom of the page age but one important thing that I think had not happened before was that we wanted to highlight uh voices of of our community that's really celebrating these months and and bring their voices into the conversation um and so um I hope that that's that's been very exciting for us to do and um it's it's getting to know our community better the first quote by Dr Jeff Duncan Andrade um speaks to the importance of knowing your
community and hearing the lived experiences of our community members so I think this is an effort to to bring those Community Voices into the Forefront uh and not knowing anything about video production um I I reached out to our school resources and my colleague Erin Harris is going to talk about how I looped her in and and working on the process of that okay hi everyone um so I teach Publications over at Tigard High School and when Matt approached me this summer I was super excited about being able to do this um I am a big big proponent of lifting up student voices and Community Voices and so anytime I can get Community Voices into the classroom and show the kids this is the power of what we like what we can do with this
technology I'm I'm I'm all for it so we arranged all of the different interviews people came in um and we filmed I edited a lot this summer um there's a lot but it was an amazing experience to be able to then take and build into my course so this year the Tigard High publication students specifically broadcasts journalism will be each month um I'm assigning a couple of kids to work on a particular video so they will work with Matt and they're going to work with community members and other students and not only learn the technical skills of editing and audio and all of that fun stuff um but we'll just get to hear the voices they get to work with more people than just me I am a very limited perspective and so I want
them to hear the voices of other people um it teaches them an amazing an amazing amount of project management skills and just empathy um of yeah so it's good it's a great thing um they're really excited about it I have two of my veterans um on for October and they're they're working hard at editing very quickly let's talk okay and if you haven't um if you haven't had a chance to watch the videos they're pretty amazing we have parents staff students and community members it's just um yeah just really cool to hear their perspective of why um Hispanic Heritage Month is important to them and um yeah lots of lots of really important questions so great really great work for you and your students I just thank you for being here this evening and other
any questions or comments I sure this is a great newsletter when I saw it and once again I apologize for not being able to connect with you and um doing a video but it's um I think it turned out great and I think it's going to be a great resource for other Educators that are able to present it and to share with our families so thank you so much for that effort it's also I think a really nice opportunity for students to go through the process of being interviewed on camera what's that like and how to present yourself and give that information so it's a really wonderful teaching tool as well as an informational tool so it's I think it's wonderful any students no director Weston yeah I just want to Echo those comments thank
you so much for your important work and um really important to honor all of our communities so thank you for um for for making sure to do that and do it well any students um I would Echo what my colleagues have said and I mean I think I love having all this in one place and I love having so you have the student pieces you have Community Resources you have the videos you have the explanations I and the the teaching tools I think is critical because I think sometimes we can be at a loss as to how to best sort of acknowledge and celebrate um these holidays or these months or at least Heritage celebrations and so I think that's really critical and um because so many of our schools have Multicultural nights we have
the different Heritage events I love that there's sort of that calendar there because there are I mean it's almost every other week it seems like and it's so nice to have that in one place so I hope this just continues growing I think Lily one of our um right she's one of the videos so it was fun to see her on there so I I think this is awesome and all again just being able to elevate those student voices is really cool thank you um just as someone who has been in the classroom for a many many years um I just wanted to say how important it is to the students to be given this kind of platform as well they have so many students have come to me and been like just acknowledging that
this is something that I celebrate and this is what I experience and maybe maybe you should be okay with me because I'm fasting today um you know that is so important and they feel so seen and so the more opportunities we can give them the better well in a couple of years ago I remember it was for Hispanic Heritage Month um where we had students come in and really talk about some of those spaces where they finally felt they had this place to feel home and this place to feel like they really owned the space and had created that space and people allowed them to sort of find that for themselves and how critical that was um for those students and so I I love that this is just kind of continuing to grow the
idea of those those spaces really lifted up for those students can I also just quickly I want to acknowledge the amazing work of Casey Fernandez from teaching and learning department for putting together all of the instructional resources on this and working hard to do that and also just make the comment that um you know this is this is kind of a first shot at this and we're probably going to leave out some perspective we're not going to get it all right um and uh you know because part of the goal is also to make it somewhat easily digestible and quick but you know it's hard it's it's a lot to put in there and and we do want to honor and acknowledge all of our perspectives so I think just keeping an open mind um
and we're hearing from communities that haven't necessarily been heard from and will continue to open doors and grow in that capacity thank you so much it's wonderful thank you all right and with that we are to student representative reports so you can draw straws to see who would like to go first hello okay perfect it is a really busy week for Tiger high this week because it's Homecoming this week um it's a whole week-long event where you just had pajama day and we're gonna have a spirit you know Spirit like outs per day um and Friday we kick off with the parade so avoid Durham from four to five but if you want to watch and start your early like Halloween candy stash it'll start at the Trader Joe's parking lot it ended the football
field um and then of course that starts the football game and then the dance is the Saturday night um one of the things I am really looking forward to is um a student Roundtable that we're gonna have um at Tigard High it's all the 50 group leaders all the leadership like people in leadership and then with Matt Kinsley who was just here and um Mrs Baron the principal and we're going to talk about how can we coordinate between all the Affinity groups and Leadership and kind of combined forces to make some really really cool events and I'm really excited to see what kind of comes out of that and then um just taking a look still at girls soccer is still undefeated six Vera 6-0 so we should see where that goes hello um I
feel like Spirits are pretty good so far I feel like a lot of people were involved in the spirit week today in the pajama day today and I spoke to a few students and everyone said that they're kind of like it's a different vibe this year but everyone's pretty excited for the school year and what's going on good afternoon everyone um I to we had our club Rush um event last week and um it was where students just go around sign up for clubs that they're interested in and I know that today um the black student union had their first affinity group meeting and more to come and I feel like the class of 2024 is very excited for the graduating year and I see a lot of them participating very intensely with the with
the spirit week and yeah I think it's just gonna be an amazing year this year um for Tualatin football men's and the feed with wins over Wilsonville and Jesuit past two weeks we had our club Fair last Wednesday and people were excited to rejoin clubs from last year and try out new ones um there's a lot of interest in checking out what unique clubs got to offer and a lot of appeal to different groups of students um The College and Career Center is ramping up its college visits this week providing students with easy access to detailed College information and opportunities for another year and lastly just a reminder we have a ttsd student safety and well-being Forum this Wednesday at 12 10 from six to eight where you can stop in and hear what's being
done to keep students safe in our schools fantastic any questions comments for our student reps because I have one um do we know if there's stuff's being taken to do the T the tiger Tualatin Student Union again for sure um we are gonna have our first um meeting um in the first week of October I hope so we'll wow that's next week it's coming up um and right now we're in the recruiting stage um and kind of relearning read teaching students what is um the tiger talking Student Union awesome thank you all right and with that we will move to superintendent board communication Dr Ricky Smith thank you just two quick items uh the first uh is to highlight uh relative to our Hispanic Heritage Month uh that the city of Tigard will be hosting
again the El Tigre Fest on October 7th uh it starts go at noon and goes until 9 pm at Cook Park everything from food to live music to vendors to e-bike Expo and Kid Zone which should be a great party as always and then uh thank you to our Tarleton student board reps this evening for highlighting the safety and wellness meeting this Wednesday night starts at 6 p.m our sros and chief Pickering will be there as well these are really important um meetings for our community to come and ask questions that they have relative to the Safety and Security of our children regardless of of levels so please encourage others to join us for the second our first one was uh over at quality in the spring with with Tigard and now we have the
opportunity at Tualatin and we will continue to have those as a way of sharing with our community the importance that we place on security and wellness for for all of our children and that's my report thank you so much board members wanna go first director Rustin I'm gonna go just because I don't have that much and then it probably won't overlap with what other people are going to say but um I just wanted to mention I am also really excited about homecoming um the change of seasons suddenly started raining um and I also noticed that Although our kids seemed really engaged and attendance seemed up it seems like everyone's out sick now so um just take care of your health everyone and um I'm really pleased with the number of events that are happening right
now um the El Tigre festival and other um other things happening so um really had a a busy time for the community yeah it's it's been a very busy time it's amazing how school starts and suddenly there's just this Cavalcade of of meetings and events um I had the opportunity uh along with a couple of my fellow directors to go to the city of tualatin's Chamber of Commerce key leaders breakfast where the topic of conversation was all about tolling um I also had a meeting uh I went to a town hall meeting with our representative Jules Walters and our Senator Rob Wagner and the topic of the conversation there was also the tolling um that that whole issue is still very much in flux every time we think we've got it sort of we know
what's going to happen it changes again and so I think it's going to be one of those um keep your eye on it and see where it is this week because depending on how it finally rolls out the impact to to our students and our and our teachers and staff getting to work could be very much impacted and then finally I had a conference call with Stanford children um taught really talking about the implications of the new early literacy uh program and what exactly that's going to look like what boards need to do for it it was really a wealth of information um kind of like a fire hose squirted at us but if any of my fellow board members are interested in seeing that I can arrange to get you a copy of the
the video stream of that meeting because it was very informative and then finally I'm working to build relationships with board members in neighboring districts in a more informal capacity just so I can get a sense of what's going on in our neighboring districts what issues are coming up so so far I've met with a board member from Sherwood um the major issue right there for them right now is uh banned books in the library and parents interested in that so we had a fun conversation about that but um yeah it's definitely been a couple of weeks of a lot of meetings and it looks like there's a lot more to come the math curriculum all day meeting palooza is coming up so that's what's going on here thank you chair uh this weekend I attended
the um what is it uh dsno so um Down syndrome uh network of Oregon uh Buddy Walk and um I attended with the Tigard High School cheerleaders who were leading the way and and leading the walk actually and so it was it was great to be there I want to thank uh Emily Den who uh showed me these amazing posters that you can uh buy for your classrooms there to help pack with pride and the foundation for Tiger talents in schools so and they're done by a student named Ryan so thank you to Ryan for all of this wonderful posters here's another one that is um very uh pertaining to everything right now because mental health is very important so take like uh director Weston said take care of yourselves foreign I just have a
couple of things um like others have mentioned there's lots of stuff now that's back to school so I did um attend the Durham back to school night so those are fun just being around seeing the teachers um the new systems the all the little kiddos so that's been fun and Tigard had theirs as well I know those just because my kiddos are there um so they've had those meetings um attended the Tigard versus Tualatin volleyball game um so that was very fun um and we also have the long range facilities planning meeting this last week and and so that's been really great in terms of kind of gearing up for our next Bond and looking at those priority um sort of items that we really want to make sure that we are in this Bond
and then kind of going out to the community and understand what that process looks like I think that's all I have so with that uh just confirming there is no public comment for tonight Patty all right so then we are on to our first report and discussion item with director Reed foreign yeah now I can hear me so that's good I know you can hear me good evening um David thank you for joining we are going to be presenting um the enrollment report um if you go into the enrollment sheet and look at the actual reports for the 23 24 school year I'm sure you took some time to review that but I just want to highlight a few things so we had the 10-day drop last week and as of 8 20 the student
enrollment was 11 312. this is uh still just under last year's enrollment about this time of 11 344. okay so since 9 7 I'm sorry I should say yeah since nine seven Elementary enrollment grew by approximately 60 students Metzger shared the majority of that growth with an additional 27 students this is primarily due to the affordable housing that was built in the neighborhood when you look at middle schools you'll see a slight drop from 2623 since 97. to where we are where we did this report on 9 20. which is now 2612 and high school increased slightly from 3658 to 3667. so with that said um we have seen some growth mainly in high school indefinitely in the elementary level we did have some bubbles to address after that 10-day drop and looking at the
numbers across the districts and classrooms and Amber our director of secondary met with principals to do some check-ins around those numbers and so there are some bubbles in which we are going to be taking care of so for example we have approved a 0.5 FTE for science at Tigard High School and also another 0.5 FTE for math science teacher at hazelbrook to deal with some of those classroom sizes um furthermore meeting with uh the director of student services Carol Dr McCall David Dr Sue we are constantly looking at the reports and assessing needs and supports of the buildings especially as it pertains to serving students with disabilities we have exhausted all of our Esser and Sia funds today so now we are looking at General funds to provide supports to the building and as a
result of looking across the district we are now committing to using general funds to staff an additional 15 ftes for lsas in which we will be bringing on board in the upcoming weeks so that is where we are at um in terms of Staffing and enrollment across the district any questions I don't think so oh comment do we and I don't expect necessarily this to be known right now but do we know what percentage of students we have that transfer to online charter schools and other districts there's that three percent cap over which we get to give permission do we have any idea what percentage of students we have going to that have transferred from other districts to our online transferred from our districts to from our district to other other districts online Charter Schools
okay do we know that doctor who has that and that's and that's fine if that's what it comes back later I'm seeing Dr Sue pointing so I'm figuring somebody has November director Rose do you have that number [Music] on where we are today okay thank you thank you any other questions students any questions all right thank you all right and so the next step is the first read of the superintendent evaluation process and um so just a little context before um and if we look at this um we decided to keep the five performance standards the same because that's a really helpful way to measure year over year is having you know not moving the goal post so to speak um and so we kept Visionary leadership policy and governance Communications and community relations management
of resources and personnel and instructional leadership is our five performance standards and so nothing in terms of the sort of performance indicators have changed um what I would um sort of draw your attention to and we can probably you've all read through them but what we want to discuss is the agreed upon evidence and so Vice chair Jaime's Dr Sue and myself met kind of went over these and talked about um sort of updating the evidence that would be appropriate for each standard and so this is an opportunity for us to take a look at those to ask questions have conversation propose changes if needed no I like the the tweaking that you you guys came up with I think it makes a lot of sense thank you while still maintaining the same stuff that's
what we had before because as you say that year over year is really important yeah it's been helpful sort of and you have much more experience with that but just as a newer board member the you know being able to again kind of go back and look at those same um those same benchmarks or those standards it's been really helpful and I think as the one being evaluated it's helpful to kind of continue on those trajectories um so we did add in you know in terms of some of our strategic plan goals and we put those in there the governor's early literacy mandates so those are you know a lot of things coming back to the policy ACC um so those are just sort of a few of those the tweaks or the updates in
in some ways that we've done I appreciate that the tangible measurable nature of each of these things um and my only question I assume this is the case but um this is a lot it's all of this reasonable for you I appreciate the question and the answer to that is whatever the Board needs to to be able to do a thorough job and have confidence and provide that confidence to the community relative to their evaluation um more than happy to produce that's actually been one of our ongoing conversations is how do we pair it back a little bit so that it's not quite such an overwhelming amount of of evidence that needs to be pulled together but also still gives an informed picture of what's going on so it's it's definitely a balancing act and
so when when our superintendent starts to squirm a little we know we we've loaded her up with a little bit too much stuff but so far she's not squirming on this one but I'm saying too too much and I think several of those you know what's been nice is how do we roll in things that you're already doing into evidence so the sit with sues or the newsletters or you know some of those pieces where it's on an additional report an additional data set an additional X Y or Z so really kind of finding um those through lines of things that you're already doing and how that does tie back to Communications and community relations or things like that thank you and also um something that you know we can all be proud of I
know you're doing the work for and everybody else is is helping you with um accomplishing your goals but I think if we all look at the uh you know this document and your um you know your outcomes in the document once it's done you know we can make sure that we're like oh yeah we've got got a really great superintendent we've got a really great cabinet we got a really great functioning system here at ttsd and I think that um all of the evidence you know it speaks for itself right so it's like yes it it kind of can be a little bit cumbersome but we can feel safe and rest at night that you know you're doing the job and we're making sure that the job is getting done and so I really appreciate
that I strive to provide and as you well know um balanced portfolio which basically demonstrates these are the successes you know these are the things that are still in process and these continue to be the challenges because that is the nature of the work um and to only bring to you the successes is it would be I would hope that you would call me um on that practice um because it it's important to show the totality of the work and both both the successes and I think it's important too to note that there's a lot of stuff that goes on every day that's not mentioned in this at all what we really did was we tried to find things that were sort of representational of the various um performance indicators that we were looking at
what's going to really if you're doing this that means that you're doing also these other 10 things so we don't need to look at all 11 things we can just look at this one and so I think that's a nice balance point we found with this document now finally and not to put to find a point on this conversation but I do appreciate having a cabinet and a superintendent and a board that recognizes we're never really done with the work similar to our presenters with recognition and good news like there's going to be mistakes we're going to have slip UPS or going to be things that we thought we're gonna go one way and we're not quite there and so I think a really healthy system um you know and I think having Dr un
you know heading up her you know all the work that she is doing to really like look at the health of systems and understand if this is where we thought we were going to be and we're not what are we missing and continuing to dive into that work instead of well we got close and now we're gonna move on to the next thing or we tried or whatever which I know a lot of a lot of places do and so I really appreciate having a district of of folks that are really open to recalibrating when needed and I also appreciate that with the standards it kind of mirrors what you know our teachers are are helped against right and so it's it not only um you know gives us that continuity that we were talking
about but it also mirrors what we are expecting from the teachers on the field right and so like uh director search me said you know we don't look at everything that the teachers are doing but we do look at those standards that are being held for everybody and same with the evaluation George Weston thank you chair Urban um just wanted to add that um I think sometimes we send home with our students information about a growth mindset and it's um so so nice that we're kind of adopting a similar um way of thinking about even if we had everything completely figured out there's always changes in um in the community that we can respond to um and so just that continuous improvements uh something that we can that can really that really makes our district
great so oh just one more thing um I just I noticed the tight alignment of this evidence with the Strategic plan I appreciate that um and also as I'm looking through the evidence you know one of the questions in my mind 's role and and what we are as as director I'm sure it said you know we're not looking at individual classroom stuff we are looking at our we're looking through our governance lens and and I appreciate that um the evidence here keeps us in our overall governance role and um so so thank you for all the work and putting this together so I'm hearing that this looks GTG um good to go um and so um so if that is the case then this will be part of the consent agenda the final read
or the second read um so just sort of know that if there are things you come across um in the meantime let me know and we can have a conversation and with that we will move to the first action item the osba board election nomination um so a quick explanation here um the osba or the Oregon school boards Association board of directors um has 20 representatives from 14 regions throughout the state and the tiger 12 and school district is located in the Washington region um so I have expressed an interest in being nominated for position 16 in Washington County for that region and nominations are due to osva no later than September 29th of this year voting will occur between November 15th and December 15th of 2023 but a nomination to the osba board of
directors will require official action of our board of directors and so this evening we slash I am asking the board to provide a motion to nominate me for the osba board of directors position number 16. I'd like to make a motion to nominate chair Irving to the osba board of directors position 16. a second and I just like to say that um tiger Tolson has done very well um with representation on the board of directors in years past and has benefited from it and so I'm very excited by this possibility again [Music] right there um I want to say really quickly that I fully support chair Irvin's nomination for this and um very happy to have her on the board as you all know I work for the Oregon school boards Association and I'm currently
the interim director of board development so while the the board itself is not my boss I have very close connection to them it is not an actual or potential conflict of interest but just to avoid any messages or perception I'm going to abstain for the vote from the vote but I do want to indicate my support so thank you thank you so much for that um all right and so all we have a motion in a second um all those in favor say aye aye any abstentions hi thank you so much I will try and serve you well represent us well all right and next up we have the LifeWorks Northwest personal services contract with director Moore foreign [Music] and members of the board the CV and I have with me Kathy Wilson Faye our
coordinator at Mental Health Services to help answer questions and provide uh content context and background as to what Life Works Northwest provides in the form of mental health care coordination services for our district we're asking the board to approve an annual contract with LifeWorks Northwest this evening and just wanted to point out um we have within our own public Contracting rules that are adopted by the board the opportunity and provision to uh enter into a a contract such as this without competitive bidding based on the superintendent determining the benefits that the particular contract provides to the district along such as longevity proximity to the district and our families and the level of service and um I'm gonna stop there and let Kathy share any additional context as far as services that Lifeworks provides to our
district good evening everyone I'm Kathy Wilson fave mental health and wellness coordinator under student services and um here to talk about the contract that we've had for many many years with LifeWorks Northwest for this particular service it's a pretty unique model and is an important part of the array of supports we have for students in the area of mental health this is this is one of them the model is that we Lifeworks provides Masters Mental Health clinicians but not to give direct service to students and families but to help families and students find meaningful affordable and appropriate mental health care in the community um this is a model that has been happening in many school districts in Washington County and is a way that we can get kids and families linked up to the services
that we have in our community and lean into those lean into those community services that we have that are there to provide Mental Health Services to to all ages multiple languages a variety of Transportation issues with families but I don't know if you've ever looked for mental health services before it can be pretty challenging it's challenging to figure out insurance and to make that first call can be daunting so that is what the care coordinators do they are um we were laughing last week even that we call them personal shoppers which is not exactly not exactly what they do but it describes it describes that model where they are there to really listen have an opening ear to what a family is needing and then help those families who are interested in moving forward take
actionable steps and come up with a variety of options for a family typically it's like three to five that really fit the bill in all sorts of ways and then the family is able to make that connection and move forward with Services as they as they feel like it's appropriate for their family and how have a short list to deal with instead of a huge list that they might pull from an Insurance's website so that's the care coordination program we continue I continually ask for feedback from schools on the program and if it's meeting the needs that school counselors especially see but also administrators and Family Partnership Advocates and continue to get great reports of how well this service works for families and really fills that Gap with families who are ready to go they're
interested in mental health services but they're just they need that extra hand holding to figure out how to to navigate that complicated system questions or comments or emotion so I'm trying to use this has been now 10 years we've had this relationship with lifebooks it's I know it's been at least seven or eight and I think it might be even longer than 10. and I just want to tell my fellow board members this is an amazing program and it really is a provider that um is is a very unique uh one and so the fact that it's a non-competitive bid process makes total sense to me and I have no qualms about that nice chair I was just gonna say um that when I was a community of the gay so I'm working with the
mental health care coordinator was life-saving for a lot of our students and families and so I really want to express my gratitude for Life Works Northwest to you know everything that you guys have done and what you bring to the tiger thoughts and community so thank you I have a few questions my first one is if you're a student who's looking to use this resource do you have to go through a counselor first to get access to it or could you access this through like the district website for example and just kind of like a guesstimate but do you know how many students per year use this um use this service yeah um first question how would a student get connected and yes we do have students go through their school counselors or their school
social worker to make that connection and typically that's kind of an organic Channel anyway because the the conversation around our outside Mental Health Services are they going to be helpful that's usually part of a longer conversation that happens between the student and their school counselor or their teachers or um you know it's it's not typically the first moment that that someone in the school is talking to a student so that's the the channel that we have um that being said though that there are I know that there's families who hear from another family that they have this great experience and so they call the care coordinator directly and say I I heard you help with this and so that's that's totally fine too um you know I don't have off the top of my head
how many families they served last year we're a little bit in flux because last year we started the school social worker program um so last year was our first year it went really well we had we hired three social workers who are ttsd employees who have that Mental Health Training and are there really to help with that kind of tier two that that emerging mental health feed and so they ended up just naturally stepping into a little bit of the care coordination tasks so let's say they worked with a student for you know four to eight times and really they kind of came up with this agreement that yeah it's it's probably a it's probably a good next step to figure out what kind of Community Mental Health could could also be a part of
the services that you're receiving so then the school social worker actually connected with Lifeworks talked to them about okay this is a family it has blue plus Blue Cross Blue Shield they need this and this and this and then we're able to to help with that care coordination piece so the the actual number of paracordination referrals went down a little bit which was great because some of those tasks were were taken up by someone who had this already great connection so I know it was in the 200s I I'll have to get back to you with the exact number what I know there's generally a shortage of mental health practitioners at this time I'm wondering if there's any difficulties making those referrals um you mentioned the Community Resources but I'm wondering how robust those are
in meeting that need if there's any Gap there or if referrals um meeting that that need given some students don't have health insurance and things like that that's a great question I started this this role with ttsd in 2021 and it was terrible access at that time coming out of the pandemic we had a huge shortage of mental health providers in the community that actually started pre-pandemic but just got amazingly worse so we are um experiencing thankfully a slow shift in that I feel like every every um period of time after I started my my work in 2021 things have gotten us a little bit better and same with this fall this fall we've had more connections with Community Mental Health Providers than we ever have um however it's not it's not perfect actually I
in my experience the category of student who has the hardest time finding a provider is typically not kids who are uninsured or who have Medicaid um which seems unusual right and we just have a we have a pretty robust um community of providers who take OHP who take Medicaid and they and we also have an amazingly generous OHP program which um Scoops up kids especially not so much adults but kids into the system um it it's it's pretty easy to be eligible for OHP or or a gap coverage so our hardest category is the Working Poor so the the families who are the parents are working you know one or two or three jobs and one of those jobs provides uh commercial insurance but it's a high deductible plan so really difficult to it's it's
not super affordable or else the copay is like you know 30 a week and if you're doing mental health counseling that's that can really add up fast so we're trying to come up with some of those types of Gap fillers and we're doing that with a um a couple other contracts with other mental health agencies that are we're working closely with so that's that's been really helpful if there are no further questions I move to approve a contract with LifeWorks Northwest for mental health coordination services in the amount of 179 682 dollars a second all right motion was made by director zersh meet and seconded by director miles is there any discussion on the motion Mr Weston um it just was wanting to consider um if just hiring Mental Health um services instead of the
coordination would be um does anyone else think that might be a more Strategic investment or um maybe someone can can talk more about why the coordination might be the best way to go um I think the the original reason that we we went with that model in combination with also having school-based Partnerships with mental health folks who do provide direct service is that we can serve more kids and Families so if we use this amount of funds to provide direct service to kids and family so someone who is meeting with them setting up appointments and providing mental health treatment they would not be able to serve over 200 children or Youth and kids throughout the fam the throughout the year and we're really blessed in ttsd to to actually be in a region where there
are mental health providers and sometimes it's just a matter of making that connection so I've always said providing the mental health supports that that we that our students need in ttsd is really a patchwork quilt so I think it's in my experience we've really had a lot of success with having some coordination having some Mental Health Providers actually in the school who are our partners and then having tier two School social workers to do that tier two emerging conditions and it seems like we need kind of all all all hands doing different uh tackling the problem from different animals I don't know if that answers your questions but that was thank you all right so you know what else okay um all right so we have a motion that was made by direct resource meeting
and was seconded by director miles we've heard one comment that was answered is there any other discussion on the motion all right hearing none we'll move to a coral vote all those in favor please say aye all opposed motion cures unanimously thank you all right and next we will talk about Chromebooks director Bernard good evening [Music] good evening poor chair Irvin and members of the board um I'm here this evening asking for approval of the purchase of 450 Chromebooks for classified staff and for our high school students um hopefully as you read in the board packet the instructional staff and we referenced these folks um I think in a work session recently uh not all of our staff say five ten years ago had devices there were certain job classifications or job titles that required
having a device as Secretary of teachers that came into our school district and we have evolved during many reasons over the last few years um that all of our staff in our district whether it be food service or an instructional assistant or a teacher or a head secretary or principal needs a technology device to perform their job duties whether that's data entry whether that's communication some of our instructional programs recently have also been adopted for support for literacy in elementary school so the 250 devices are for our instructional assistance K through 12. and then we are requesting an another 200 Chromebooks for our high school students we are still trying to write size um what our one-to-one program or a program where every student has a device some of it has been Hardware we buy
certain devices that are under 500 and have a lifespan of four years we also have students from third grade all the way through 12th grade that bring home their devices and sometimes there's a hardware problem with a wireless card and sometimes there's a water bottle problem and sometimes something gets dropped or there's an extra book that's too heavy that goes on top of that laptop and so we're trying to and last year we also wanted to make sure that students were not afraid to come to the technician at the help desk to swap out their device if something were wrong if the screen broke if a key fell off we were finding that kids because they were being charged didn't want to come and get that fixed so that along with other reasons um we
waived fines last year so there's no longer what we started with in 2017 where our first incident would be a hundred dollars second would be a hundred dollars and the third would be a full price replacement um over the last four years or so we we've moved away from that with that good and bad um we're having more kids come in and share that their devices are working properly and again it could be a hardware failure it could be if something happened with a device due to the um care and love of that device so we are continuing to work on that and we are continuing to look for the best deal for Chromebooks and iPads for our students that are sturdy the last ones we purchased I have Gorilla Glass so we're learning along
the way and so are the manufacturers um but the other 200 are to help swap out so their devices can be fixed while they're in for repair and they have something to use in the classroom so that when they graduate they'll have the device that they were given as a freshman question any questions I love our one to one program it's awesome I love the fact that we can that the kids can bring them home yes that's not the same at all districts the kids can bring them home yes yeah and yeah we want to make sure that the Contin the learning doesn't stop at the at four o'clock or three o'clock well exactly and the fact that a a Chromebook that gets carried back and forth home to school some percentage of them are
going to suffer damage and that's just the cost of doing education um so with that I moved the board approved purchase of Acer Chromebooks with 2017 bond funds and authorize the district superintendent or CFO to sign the purchase order to oetc in an amount not to exceed 235 thousand dollars well second enough you read that whole thing all right uh motion was made by director search meet and seconded by director Weston is there any discussion on the motion hearing none I'll move to a coral vote all those in favor please say aye aye all opposed all right so we are at the end of our regular sort of board meeting items and so as people have heard me say in previous meetings this year we have set aside some time for board reflection time if
needed are there any board members that would like to have that time this evening all right sorry director Weston sure um I'll keep it brief so we don't stay here too late um I just wanted to say I appreciate Dr Sue and the um all of our administrators work on the um on the lunchtime issue and um and and thanks to our student Reps for bringing that for voicing that issue um and I I just wanted to say I think it's important for the board to have information about any barriers um as far as making sure lunch can be around lunchtime and um I would like to request um for a future board meeting to have an informational item to review any parameters and any efforts on this issue partly just to make sure that
um everyone is able to hear the work that's being done and um and give a chance to kind of um be transparent about how we're resolving the issue I was point of clarity uh so is that something you would like at the next board reading director um yes if um if I could get a second I would make a motion but I like to hear what anyone else has to say I think it might be um appropriate to do that as sort of as part of superintendent communication at the say the next board meeting rather than it being an agenda item that's just a possibility unless there's unless you anticipate a lot of discussion around it but if it's just a summary of here's what we've done an update here's here's here are the problems
that we had to address and here's how we're solving them thank you there was work being done today relative to communication out to the community as a whole and as you received in your board update on over the weekend we are now in the midst of negotiations with ttea relative to um the uh to the schedule and so does that mean because we're in negotiations if that's something you can't really speak about it means that that the conversation at this point is is would be abroad and high level um communication at this point rather than need to be okay so yeah that would just be interesting so that might then so is that then are you saying that that's something that just a 30 000 foot level that would be appropriate but at this point
but more than happy to provide that that's why I want to make sure it was good Clarity relative to to what the director's wish uh on that issue yeah I just think some of these uh Community conversations are better had um in front of the community and just making sure um that the various constraints are understood so that there's not kind of um so that we can just have all the information and um and the community knows the work that's happening understood thank you all right any other points of discussion all right I will now adjourn this evening's meeting at 7 31 pm
