Welcome to the Hotline Direct training video. This video will provide guidance for designated users on how to access the Hotline direct system and review alerts. In this training, we will discuss an overview of the Hotline Direct System, how to review alerts, and the aggregate report data and print or export options in the system. First, we will review an overview of the Hotline Direct system. Hotline Direct is a secure web-based platform designed to manage crisis alerts during statewide assessments. It offers real-time visibility of alerts, a streamlined workflow that eliminates reliance on email or file-based processes, and shared accountability by tracking actions and feedback. This training module emphasizes the systems role in improving communication and response times during critical situations. District testing coordinators, DTC, District Testing Assistance, DTA, and Hotline Direct Assistance, HDA. Users can access hotline
direct through various methods via an email notification containing a direct link when an alert requires review through texasassessment.gov, by selecting the hotline direct card, or by selecting the hotline direct link in the universal header in Cambium Assessment Incorporated, CI systems. This flexibility ensures that users can quickly enter the system when needed, reducing delays in addressing alerts. The dashboard serves as the central hub for managing alerts. It displays all current alerts categorized into new, acknowledged, resolved, and all. This organized view helps users prioritize tasks and quickly identify alerts requiring immediate attention, ensuring efficient workflow management. Alerts are classified into four statuses. New, requires immediate attention, acknowledged, reviewed, but not resolved, resolved, addressed, and finalized, and all. A comprehensive view of every alert. Understanding these categories is crucial for tracking progress and ensuring timely resolution of issues.
The alerts table allows users to view open alerts, apply filters by date or flag status, and customize columns to display relevant information. These features enable users to tailor the interface to their needs, improving efficiency and reducing time spent searching for specific alerts. Next, we will review how to review alerts in the Hotline Direct system. To view an alert from the dashboard, select a student's name to access detailed information. From there, review responses, add comments, and flag alerts if necessary. Users can also view the historical progress of the alert from the time it was reported to the time it was resolved, and see how many times and who has viewed the alert. Acknowledging the alert signals that the alert has been received and reviewed, but additional action is required before the alert can be resolved and
closed. If an alert is not acknowledged, the user will get a second email notification reminder 24 hours after the initial notification. After acknowledgement, the next step is to resolve the alert. This involves confirming that all necessary actions have been taken, no further action is needed, and the alert can be closed. Before confirming to resolve the alert, enter optional additional comments and mark if the alert should be reported as a false positive. Once the alert is in the resolved status, the alert is officially closed and no further action is needed. Additional comments can be added if necessary. Resolving alerts ensures that issues are fully addressed and helps maintain accurate records of completed tasks. Finally, we will review aggregate reports and print or export options. Aggregate reports provide insights into alert trends and patterns. Users can view
alert frequency by district or school and analyze data across different reporting periods such as weekly, monthly, quarterly, or annually. Reports also show the age of new alerts and acknowledgement activity by user, supporting informed decision-making. Hotline Direct includes options to print alert details or export data in a Microsoft Excel CSV format for further analysis. These features are useful for creating hard copies for meetings or conducting deeper evaluations outside the system.
