Not like that. A lot more simple. >> Did you do that? Thank you for sharing. >> That's super cool. >> We have trustee report. I guess we'll cover it when we resolution. Um, >> you want to give a report? >> Just going through these. >> Oh, yeah. >> So, the policy committee met and we went through policies that were brought to our attention um for various reasons. So, the notes um are here what we discussed and then our plan for it. Some of them are coming today. Some of them aligned more like with the handbook. So when we have those um work sessions, those will be discussed further. So but there are some coming today for more discussion. I was going to ask about the our strategic plan. Is it supposed to be redone every

years or every years? >> That is done every five years. >> Okay. I couldn't remember what it was. It should be >> make a note. And then I wondered about our emergency if those are when those get closed up since we're fired. Okay. Okay. So when we >> do the board have to initiate that posting those advertising remember >> I don't remember we talked about it last Right. >> Superintendent. Um we just got back from another group and staff what that might look like good and a little over almost six weeks into the bar. Our our high school going through lots of data, but good conversations about kids as well as um activities with kids on on a weekly basis. Uh giving us better of our students. We made it through the Christmas stroll. I

was not here. So did a great job. We still folks to give out on December 16th. Uh we we don't have a definitive date on the tax credit >> January 21st. >> Okay. So >> we a week later than last year and so we're working to make sure parents that's paying taxes. Uh the last thing we have talked about with communication pieces as far as uh the different thing we are working on options for our teachers parents as far as phone calls and communication our staff more transparent. So that's where that's where uh yeah we had we had one stop a bus driver on December 18th. Perfect. We need a long day. Um mask testing window is now closed. All masks are testing. Um the first window closed. They will be made up ready to

hopefully later. winter all that data and all the quarter two semester gone. So all the parents will have that stuff next year. There is an option for a parent portal. I don't know if we roll into that or we make them look at it and So, just so you guys understand, and this is a little frustrating, but um so last year was the first year of mass testing, right? Mass testing runs all year. So, new state testing. They do not want us to compare last year's data to this year's data because there is lots of changes. So understand when we look at that data we're not going to compare it to last year but maps maps test and I forgot that we're doing if anybody has any questions on the rest of the reports now's

a good time to ask or if any of the department have something to add. Sorry. All right. We will move to old business request for proposal. So, we had um all the insurance uh all the hail this this summer and so they came down initially as as you know then they came down again and went through all of our all of our buildings again and uh looked at that. So, that proposal is there and so um broke. >> Um, we there's not we had no idea what we were going for. But >> so long and short, um with the added damage that they did find, there was some added damage on some of the teaches, obviously a little bit on some of the rift and ripping in the three, um buildings. But the biggest part

was when you guys wanted to open it back up for proposals is that I didn't have the correct scope document. And so because of the change that creates a new scope, but that also potentially changes information that's been added in the fact that because we already have a design build contract with new industry, you guys can ask new to do a chamber and add the scope to the existing contract. And so we can either take this information and put it into the scope and put it out for RSPs again or it can go directly to the history of the change order to the existing contract because some of this is going to cross over into the bond. So like the pieces on the high school, the gutters and whatever else was not on there, those

are already included in the contract on the bond with Mckenry. So if you are not going to do a change order with them and add to the contract, we need to probably take those things off of the scope. So kind of a two piece puzzle of how we want to go forward if we want to continue and send this back out to Audi and Pondro. So those numbers are still on the board. Um member and then see if any other people also place a bid or want the entire scope to go. board have any thoughts? >> Like so then if they get the insurance check that would just roll over. >> So you would have to do they would have to do like a bid. Okay. >> And then I have to submit that to

Jeremy and then there would be some insurance money covered for some of those costs. So there is a little bit that it's already in the bond and we would get a little insurance money for which would just kind of buffer our project along the way. But it wasn't as big as we thought when we saw the damage on the high school roof. We were not sure what to expect or not. But it is just um I think it's the gutters and there's a window on one of them and something else. Oh, the roof ventilator and roof. So, when it says then it says quantity 10, quantity two, is that 12 windows? >> Those are only the screens. >> Oh, >> yes. Those are there's 12 screens that you replace. >> Gotcha. Okay. You're talking on

the high school. Yeah. High school. Yeah. The screens and so MSGA um has a price in there that they try to obviously they're looking at not super low, not super high. So they also have to agree to whoever bids it and then agree to that bid. Otherwise you're >> That's my next question. Yeah. If we get the bid from them and feel like it's too high, insurance doesn't pay with it. We still have an option to pick and choose what we're going to. You mean if you go with >> Yeah. Like say because we don't have their bid at this point. >> You're just doing as part of your design build contract, >> right? >> I didn't ask that question because I'm hesitant to use bond funds of course for things that aren't already included.

>> No, that's what you're saying. It would be a change or a current contract. >> So, it would have to come out of insurance. It would be insurance and then anything additional would come out of >> Yep. >> The only one that crosses the bond are the gutters. >> I think she was saying like >> if if there's money left over from the insurance side, then it could >> paid for in the bond because they had to take the gutters off. So they'll be gutters aren't really not like the big part like we expecting the hole of the roof to be if that were damaged. >> Sure. >> Construction is also called in here since then. >> What did you say? >> Body construction. been inquiring about where we are. >> Well, I think it

only makes sense to get a bit from the people who are doing everything else. Any public comment? Any other public comment board discussion or motion? I move that we pass the ministry for a change order and then add the scope to the existing contract as for a bid. made the motion to get a bid from McKinstry. >> I'll second the motion to get a bid from Ministry. Mike second the motion. Is there any Public comments. Board comments. Reena made the motion to get a bid from Mcken Street. Mike second motion. All those in favor say I. >> I. >> All those opposed, same sign. >> Carries your handbook edition. Well, we had a daycare I guess I can speak on this. We had a daycare committee meeting um and we discussed policy and just changing

the policy um a little bit. So, we're going to work on that and it looks like this is going to contact our state license and for anyone to make any decisions under our license to be under our license. like support staff. >> How do we go about that? >> He'll just have to do paperwork. >> Okay. Is there any public comment? Public comment. The board's comment or a motion. I'll move to approve the daycare handbook edition as presented. >> Second that motion. >> I made the motion to approve the daycare handbook edition as presented. Second motion. Is there any public comment? Public comment. Mike made the motion to approve the daycare handbook edition as presented. Sam second the motion. All those in favor say I. >> I. >> All those opposed same sign. Motion carries.

All classified hiring. >> So we are in that hunt for bus drivers and sub bus drivers as well. Um Camille would like to be considered one of our bus drivers. We have our application. We had our application on hand and just wanted to take that forward and as a last resort when we need a driver to cover a route. Um, uh, I can cover route. taking care of all of that discussion public comment. So I guess I would like to say so you know we didn't find out that you know we have it happened twice in a row. So good. The communication is terrible. But as far as me being Yeah. willing to do that if necessary, getting the bus to me is right now. So it's not exactly a great solution based on where

I live. Um, I do know that there were others that were interested in also being because of the lack of communication. They haven't said anything. So, there's been no no communication for us parents. Um, they think that possibly cancel they're wanting to know what you know what the situation is. Like I said, she was interested in 12. So I don't know. >> Thank you. >> Is there any other public comment? >> We advertise that we're needing a driver like in the Eagle online anything like that. Um at this point no it has happened within a week's time. So >> triaging the situation the best we can >> probably need to be advertised if we're looking to keep that route. Any other discussion or motion? >> I move to approve the classified hires as presented. >>

I'll second that motion. Do we move to approve the classified hires as presented? Lisa second the motion. Is there any public comment? Public comment made the motion to approve the classified hires as presented. Lisa second the motion. All those in favor say I. >> I. >> All those opposed same sign. Motion carries. Call for elections. Uh so we have to have elections approved and how we would have them. Um so the uh the committee the finance committee met uh a week ago to look at those and just kind of lay them out that we do not have to run them but we have to say that if we're going to run them we have to have those out there. So they brought that forward to um basically say we're going to run the ballots if

we need to run and then we can we don't have to. And then there are two trusty positions open, one in the elementary and one in the high school. The high outline high school district is the district. So there's potential for a trustee election also. Um trustee positions will open on the 11th. So they are a different timeline. They open this month and go until double confirm it's a date in February. They're a month sooner. So then that way people have longer ballots printed. I'll have those forms available in my office starting on Thursday as a finance committee. We weren't sure about until later when we see what our budget is as far as if we want to run them or not, but we felt like we needed to leave that option open. So, what

I explained with finance is preliminary budget data sheets don't come out till March. And so we have no idea if we're what our overbase looks like. Sometimes depending on your mill value and money coming into the state, there's no overbase because we've never had the option to run the overbase in high school because our budget's always been fully meant. This year we had the option in the elementary, but it was only like 5,000. So we chose not to run it. I just don't know what that levy amount could potentially be until those data sheets are done. And so we'll see what those elections and then like I said, we can cancel that election. Right now it look like it's on the book until it's but it will go before the board to be there any

discussion. Any public comment public comment discussion or motion? I move to approve the election resolution as presented. >> Second that motion. >> Stephan move to approve the election resolution as presented for Eclac Elementary 15 in Spire County High School. Sam second motion. Is there any Public comment. Stephen made the motion to approve the election resolution resolutions as presented for Ecolak Elementary 15 in Carter County High School. Sam second the motion. All those in favor say I. >> I. >> All those opposed same sign. Motion carries policy and form update. So policy committee met and uh discussed the a bunch of different policies but uh a lot of those is at the beginning of that we put off until different pieces are done u moving forward but uh couple different policies policy 1420 was discussed and

policy can talk about that but looking at the changes um on that second page as far as electronic participation and what that looks like um so the change being that board members may be allowed to participate by platform agreed upon by the board chair and superintendent. Um striking out that the next piece of that uh if a board member is disconnected or there is a technology failure. Adding that statement in there. And then the last piece of that from the policy committee was board members are permitted to participate electronically for no more than two consecutive meetings following the limit. In-person attendance will be required. The executive session portions of any meeting will be held in person only and may not be attended electronically. Does anybody have any questions? Is there any public comment? Public comment

board discussion or motion. >> Did we have that in there about missing more than three meetings? >> That's the law. That's that's a different that's in a different 1240 or 12 something a different it's a different policy. >> Okay. >> In regard to the fitness center um did we want to add something about like how to request to use it and first come first serve or I mean school activities are first. Do you remember we discussed that? >> Yep. >> Yeah. Um, I was going to let you do one at a time, but um, >> all sorry. >> No, that's fine. Uh, so, uh, we there the school activities should always be first, but that can be added to that, but that is not specifically laid out in there, but um, in the fitness center

rules, the the fitness center is never of use if if there's a school activity in it. That's part of the walkthrough process. So, it could be added. Yeah. Although it's not I mean it's >> sure >> it's in the walkthrough piece. >> So that may be good to have it in writing. >> So adding going jumping on that make sure so facility use forms are available in the office and uh online at eclac.net if groups clubs or community programs request to use the gym or other space on a more scheduled basis. Um now the piece of that that is a little bit tricky is if that last piece and so this that verbiage needs to be cleaned up a little bit. Um that if we anybody that comes through and does a walkth through is

covered under our insurance because they have gone through the um I guess the liability protection but they've gone through that safety walkthrough. So they're and they've signed off on it and we've signed off on that. Uh so if they are if everybody at the table goes through and goes to the the gym that there's no need because you're already covered under it. Um and you also have access to the gym or whatever else you're doing there. Um if you're not uh you're not going to do the walkthrough, then that those groups need to have their own insurance on the outside. in the insurance piece that's already included in those facilities use forms, isn't it? So, we probably won't even have to have that last bit. So, what if like somebody brings say like the youth

group are how is that covered? >> It's covered by the youth group. So they have to provide us insurance >> individually or just the >> just the youth group. >> Okay. >> Just it's it's if you look at it like the holiday bizarre. So Sage Brush, they're the ones who provide the insurance for that. And then all the vendors, we don't deal with anything. They're all through that. >> Yeah, you guys do. So those are buy insurance. >> Janet said the check >> they buy through MSGIA. They offer they insurance did it for years. >> What was that? >> No, they have their own >> their own insurance covers theirs. Just to make point of clarification, we've got to make sure we get people online can't hear. So, we've got to make sure people are

>> at the microphone for public comment. >> Is there any other discussion? public comment. >> Can you come to the >> Thank you. >> Do people have to pay to use the facility still? Like Sage Service Club, for example? >> It's all free now. Okay. >> Yeah. They have to They're supposed to pay. There's a fee attached to that. There's a deposit. Um, and then >> there's a discretion piece, >> but they don't >> discretion piece. >> It is on a discretionary, which we haven't made anybody pay you. >> So, didn't we talk before like a funeral is like a private thing. So, that would be a fee for to cover like the >> the custodians and whatever, but then when you're doing like a public service. So, and then who has the list of

like who how do people know who who has priority like if somebody's signed up or >> they will I mean there is really no way of you come in and fill out the form and then it goes on the calendar gets approved in the office. If it's gets approved by me and goes on the calendar and then if there's not a if there's not a date available for that then we move the date or offer other dates. >> Well, I think we talked about when we looked at this um but we talked about putting something in here so they know who to contact, you know, like contact the front office if you'd like to use a facility. >> So, and they're online. They're actually on the website. It's a public access and that's where the

calendar is >> on like where to sign up to use the gym and things like that outside of just a fitness center. So, we were trying to clarify that here >> like so I think we need to add something about like facility use and I wouldn't put forms. I would just put facility use and then you could put the forms that sentence cross off the group insurance because if they do the form they know they have to have insurance and then add something about >> school events take precedence over >> there. >> I think so too. I just can't get it for any >> I guess the mic if you want to talk please. >> I guess my only thing is it confusing having on here because only fitness center people are going to see

this. >> I see. >> So like I don't need an example Evie doesn't have a passive fitness center but she wants to use it for indoor horseshoe club in the winter. >> She's not going to see this. >> That's true. >> I guess that's from the office perspective. I feel like a lot of people we have using it or I shouldn't say a lot other people we have using it aren't necessarily >> the fitness center people I mean we've used it for relief for people when they've come and had fundraisers or the bizaar or >> Yeah. So I'm wondering where we put that then >> I just don't know how you get it out to to everybody that is a potential user of it. You could put it as just a uh one of the

main menu bars on the website if you wanted to just facility use or >> um so it's >> easy to find. >> Yeah. >> But nothing's ever easy enough to find is a problem. So, but yeah, that's where I guess if >> it was on the main menu. >> So, I guess it makes sense to leave it how it is on here. It's just for fitness center people. Yeah, >> they'll have to put it somewhere else, too. >> Right. Like I said, the form itself is on here, but then navigating to it, I guess, is >> and all the details. >> Yeah. >> So, we probably need to come up with I'll make a note. >> Um, our open gym group would just like clear, consistent rules of what we need to do. We really

enjoy using the gym. We don't destroy the gym. We take care of it. We make sure the lights are off. I think we've done everything you guys ask us to and it's just constantly something else. So, can we please come up with clear, consistent rules of what we need to do so we can continue to use the gym? And yeah, I guess thank you. Is there any other discussion on the policy and form updates? Is there a print out somewhere of the rules rules for what for using the gym? There's just the facility use. Is that what you're asking? >> Or the or this? >> Yeah, there's two pieces. If you do the walkthrough, there's the expectations, lights, all that stuff. So if you have your membership that's there's the expectation but the facility use

the expectations they have. So if you're renting the gym then what you need to do. >> But I guess if you say all your people that are doing open gym have a fitness center card then this policy applies to them. I think that's where we're lacking communication on use of the gym. Like say they don't need this other form because they are part of the fitness center. How do they sign up consistently? Like where's that guidance at just use of the gym? >> That's just that's again they so we have like >> um uh if a volleyball group wants to use it or those things. If they're an outside group, they fill out the form, but if they come in and say, "Well, we want to use it on this this day." The first thing

we do is look at the calendar and say, "Yeah, that's available or not available." And so then we lock them into that time knowing that if there's ever a school event or anything like that, it's still going to trump that and push that out of there because if it's something where you want to reserve a certain day, you have to do the facility useful, right? >> Correct. Is there any other further discussion? Is there any public comment on either of these? Public comment. Neither board discussion or a motion. >> I move to approve policy 1420 as presented. Stephan made the motion to approve policy 1420. The second the motion. Is there any public comment? Public comment. Stephan made the motion to approve policy the changes to policy 1420. DB second the motion. All those in

favor say I. >> I. >> All those opposed, same sign. Motion carries. I just think there probably still needs to be some more discussion on the verbiage used for the fitness center rules the form so that there is no confusion. And it's kind of hard with everybody talking back and forth to put it in line. So you might just want to get it on paper then we can again next month or another meeting. >> I move to table it. >> I second that. Thank you. >> Stephan made the motion to table the fitness center form. Sam second the motion. Is there any public comment? Public comment. Stephan made the motion to table the fitness center form till next month. Sam second the motion. All those in favor say I. >> All those opposed, same sign.

Motion carries. I realize I didn't do public comment on non-aggenda items. at the beginning online. >> There's also supposed to be public comment. It's not on there, but it should be. >> Is there any public comments >> under recognition and reports >> on non-aggenda items? Not. Huh. We'll proceed on to accreditation report. This is justformational. I had asked if we could get the report so we had an idea of what all the steps were that we needed to complete. either of you tell me what it doesn't have a page. It's standing alone on its own page and we have a two out of four. It's 105560 line six maybe is what that means. I just wondered what that was. >> In order to move from a 2 to four that one on this one. >>

Oh high school. >> Um >> yes. Yes. 186. A school shall be designed regular accreditation test by using combined results of the assurance standards and student performance standards as follows. What points do are acceptable and not acceptable? >> Says points possible for >> points earned too. Remember, do you remember when I put the rubric in here last month and it showed how you fall under each one? Pull that up. Why? >> SPC says says college and career readiness 10.55.606 606 parentheses 6 is three that you're showing you only have one piece of evidence showing students are graduating ready for college and career. two says NA with no explanation and deficient says school has no evidence to ensure students are graduating ready doesn't have an explanation in the two >> right that's helpful >> yense >>

you're a 2011 or a zero show the difference between a two and a So obviously we all know that we need a graduate profile and I was looking at some samples from some other schools and it seems like the graduate profile itself is pretty simple like a simple >> the end document >> right simple So why why is it something that's going to take us till spring to be done with? >> Because it involves like tons of multiple steps. So you need to get lots. So you need to get community and then your entire community input on that. Um and then you need to defise what your skills are, what you actually want in your graduate profile. Um, so that that is that should be your northstar document. That should truly be where you're headed.

Um, there are absolutely examples of uh box checking, if you will. If you you could create a graduate profile tomorrow and put it in a binder and it would not lead your school anywhere and your school would just continue doing what your school's doing. um and schools. I mean, this is your chance to highlight where you want to go, how you want to go, but have your community input into that. Um, as far as all your your stakeholders building, what should that look like? Because that's should be how you're building your accreditation after that. >> Will you come outside the mic, please? Thank you. I have the 2425 accreditation status report if you would like to have it. That shows all the letters and the way you scored. >> Sure. >> That's what you guys

have. >> Oh, this is what we have. >> Oh, okay. >> She was meeting the I could share this with Branson. It's the reference guide on how to score it. If I show you something, you want to throw it up on the screen. I'm just going to share it with him and he'll see if he answers me or not. >> I already shared it to you. Got it. Hello. >> And this one was in your October board. So this is a reference guide. This is what Lisa was asking how we were scoring. If you go to pick a I don't know pick one. Let's keep going. It will show you like that box one box right there. How you can get four points, three points, two points, one point and that's for integrated strategic action

plan. Where do we get that at? Or can you share that to our emails? >> I can. And like I said it was in your October packet too. You have a paper copy of it. >> Yep. Okay. There's just some links you can click on. No, this one you can click on the link. >> So I have a question Lisa on page the third page of the bottom of page two where it talks about the professional development plan and being an advisory committee. Is that something that we need to get established in order to try to meet that? >> Can you say where you're at again? >> Yeah. Sorry, but Okay. So, you have the letterage. >> Okay. >> Yeah. >> What letter? >> That was something that needs to >> Can you repeat repeat?

We need to like create an advisory committee and who needs to be on that? Is that something we need to like do now? So, >> or what does that all? >> You guys do have a PD. >> You already have that. >> So, then why did we score a one? >> Because it was not on the it wasn't on the public wasn't on the website as far as all of that. So, that's where your the minutes and all that stuff need to be posted. So, it just needs to be created to add to that. So the advisory committee is already there. >> That's what I was wondering if it was a different committee because I know we have one. So >> no, if you turn back on the other page, it says >> is available

to the public. >> So we're just not making things available to the public. >> It's not on the website. It needs to be. I mean, you almost need a a website. um having been in in multiple schools, but having been uh working on accreditation teams that accredited different schools, we need to the next step for us is to have an accreditation tab that every I mean that's the only place you're looking for um whoever is going to go look for that. But that's where that you're not going to find it anywhere. >> So it being in our minutes wasn't good enough because we take minutes. No, because that's not well I mean >> they would be publicly available. They're online >> and they are but that's again it's a judgment call. >> So I think

you need to be clear with the click >> because I know we have minutes so that must not they want the actual plan posted right. What about the mentorship? >> So we implemented that but when we we didn't have the evidence of that in in so we put that in in May. We had to submit that in May and we did not have all those hired and in place at that time. So those I mean there are certain >> and it was for last year we didn't have a mentorship program. >> This is I mean it's there's a lot of things that are already >> so that's good to know. >> Yeah. Okay. And then the evaluations. >> Oh, never mind. That one's good already. >> Yeah. >> I'm just going down lines. Sorry. Well,

the last one um right below the evaluations and it's talking about like to improve school climate. Is that referencing this climate survey we did like or is that or by doing that that will help us this year? >> That is so it's kind of a mix on that answer. Um, but you're looking at datadriven decisions about programs. So, >> yeah, >> there is how are you determining if you keep a program? How are you determining if you have five teachers versus six, how are you determining where kids are going? There there's a lot lot to that. And so, >> yeah, I would say we are not I mean that's a safe assessment on a number two for us at the point that we're at. So what are we doing like right now to try to

rise above the tube? So it first and foremost it's all about how we're tracking the data and so we have different different avenues to track the data from you know at the at the simple level our our classroom data but through SFA through bar um all all the different pieces that we are trying to put that data together. >> Thank you. Are there any other questions? >> Okay, thanks. >> We don't have many. We'll move to consent agenda. Is there any discussion? I had a question on that. Um I can't find it right now, but it was like 80ome thousand to bar is but that came from a scholarship or I mean a >> from a grant >> grant. Yeah. >> Yeah. Okay. Any discussion? Public comment. There any other discussion or motion? Mike moved

to approve the consent agenda. Is there a second? >> Second. Mike moved to approve the consent agenda. Sam second the motion. Is there any public comment? Public comment. Mike moved to approve the consent agenda. Sam second the motion. All those in favor say I. >> All those opposed same sign. Motion carries. At this time, we will close the meeting for executive session for an appeal.
