Um, I just wanted to come on here again tonight as a scholars parent of the past 12 years to kind of express my ongoing concern regarding the significant security gaps in our school's digital monitoring and technology systems. As my husband stated during the last board meeting, you know, there were several critical loopholes on our schoolisssued Chromebooks

005this past year. Those included unmonitored AI chat, self-directed YouTube access, dangerous external sharing capabilities within Google Suite, and games that allow direct contact with anonymous strangers. Furthermore, we recently learned that students have been using tools like Google Lens as a loophole for academic cheating. And as we previously stated, CMS schools have successfully blocked every single one of these specific threats, proving that creating a safer, more secure digital environment for our children is entirely achievable. But recognizing that it is impossible to stay ahead of technology, but scholars needs to use the summer to prepare for a muchneeded updated technology plan. I'm just want to reiterate that I strongly encourage the board and administrative administration to review our current technology standards, ensure that we're meeting federal and state safety benchmarks, and I urge you to consider hiring

006a dedicated digital safety expert to close the these vulnerabilities, protect our students, and establish clear guidelines for when parents must be notified of systemic filtering failures. I mean I would request if there is something like uh any uh reduction that we uh parents u are kept in the loop and if we can also uh and if you're given some like you know time frame to help uh decide that uh that would be helpful and that's all from my end. Uh we have a daughter Maya at the school in first grade. Um first off, actually for the first speaker, um I'll I'll put my uh information the Q&A, but I I would be happy to look at the router setup um uh regarding the for for the school. So, uh, this kind of blocking, there's lots of, you know, obviously there's, uh, host of, uh, paid, uh, subscriptions and things that solve this that are commercially available, but there are also plenty of free

009resources, uh, where concerned people and so forth have set up, uh, block lists. So, so that's something where um, I'll put my information in the chat and uh, if if you give me the opportunity, I'll be happy to help with that. But I I I was also um the primary reason I uh wanted to speak was uh actually more to uh second the second speaker's concerns um about uh ju just uh we'd appreciate any transparency in the decision- making around staff reduction. I I understand the you're not privy to talk about these things but um obviously there there are a lot of different um services and uh being offered to the scholar children of of course this uh there's a diversity of scholar children with a diversity of needs. So it it makes sense that

010there's um a lot of different programs to try to bring the best out of uh out of the students potential. Um and I think the uh given the opportunity the parents would probably uh have some uh preferences about which kind of opportunities are uh continue to be available if tough decisions need to be made. So anyways that's my spiel but thank you again. I'll put my information in the chat um uh if I can donate any time regarding the IT security and uh I yield my time. Great. >> Thank you very much. 011Great. Thank you. Uh feel free to start with uh kick us off with your director's report. >> Okay. Um so we are continuing to work on um filling any um open positions we have for the 26 27 school year. We will be working um through that until positions are filled. Um we also have been working on renewing and achieving um teacher North Carolina lure which is it could be a three-year process or a five-year process for um different levels of teachers. So we're um working on that with the teachers and then we're also working on uh an AIG lensure program for our staff at the school. AIG is academically intellectually gifted and it is a requirement we have for employment at our school for teaching staff um for staff to start working on it after

012being at the school for a year. Um but we will be working on it very heavily next year with a program right at our school for a large amount of staff who will get to be part of um something that's very specific for our school. So um those are our big things that we're doing right now with hiring lure and gifted lure. And then we're working on we have graduation tomorrow. We had the talent show today and we have a lot of other exciting things the next couple of days before the year is over. Um, thank you Dr. Couno. Do you mind getting into a little detail about the uh lensure at the school? >> Um, yes. So, we're going to be working with Dr. Brian Hen from UNC Wilmington who is um he specializes

013in gifted education. He's come to the school before and done professional development with um our teachers and other teachers during one of the gifted conferences. He also um has presented at North Carolina Association of Gifted Children, the National Association, and he speaks all over the country um to support gifted learners. So, he's going to help us create a specialized program just for Scholars Academy that will be based off of the best practices of gifted education. And he's going to spend a lot of time with us in the 2627 school year, working with our staff on um getting up to date on the best practices for gifted instruction and understanding, he's calling it the heart and the head of our gifted learners. So he's going to be ensuring the program has a lot of um focus

014on social emotional needs of gifted kids along with the intellectual needs and he's going to come to the school I believe at six times uh in person and he'll do virtual sessions in between. Uh he is in Wilmington, North Carolina. So it is a bit of a commute, but he's also going to join us for our gifted conference next year, which will be October 2nd instead of uh February. So he'll be part of that pro uh program, too. And then any teachers who do have a North Carolina license can take a test called the PRAIS at the end and get this added to their license. But for teachers who do not have a North Carolina license, they'll still get to benefit from gaining the knowledge and the collaboration of the program. And um it allows

015us to have a program right at our school that we could start day one with any new hires uh going forward because it will be a train the trainer model. So he's creating this program for us that we could use year after year so we can train our staff um inhouse versus having to send them to different universities or um different different experts. So the upfront cost, there'll be a little bit of an upfront cost, but it will pay for itself actually in the first year because now gifted lure from like UNCC costs about $6,000 a teacher and this will um this will give us significant savings doing it this this way. >> Great. That sounds like a wonderful program that we're developing in a house, if you will, where hopefully this makes it significantly

016easier for um our teaching staff to get these uh licenses um that we need. Any other questions for Dr. Couno? Was there um anything else you wanted to discuss? >> Are are there any other reminders for families since it's the end of the you know the last week? I know just laundry was run and those families were notified over the weekend I believe. Any other reminders that we share in the community? I sorry I couldn't hear you. Could you repeat? I know, for example, the bill lottery was run over recently and notifications started going out over the weekend. Anything else since we

017have a captive audience that we could share other than we're so excited and thankful for another successful school year, but anything you'd like to share with the community as a >> Oh, but and that's coming up. Yes. Um well, summer's coming fast. Friday is a virtual learning day and I think individual teachers or grade levels are sending um newsletters to their families on what to expect on that day. We really uh just want the kids to be curious and find ways different ways to learn. Um and that's the same for all summer. Just have your kids reading reading reading reading lots of things that they're interested in. Um and trying new things this summer. um not spending too much time on academic work if they can get their brains to take a little bit of

018a break from that and and develop their brains in different ways. And then um look out for lots of communication coming up this summer. There will be a big newsletter in July, but until then there will be less newsletters coming. So um don't think you've missed them. we just slow them down in the summer. And the summer um office hours, school hours will be Monday through Thursday, 9 to 3. So, the school will be open those days. We'll have some camps at school, but if you need to come um those will be the days to come. And we'll have all of that on the website. And report cards will be going home um not this Friday, but I believe it's the following Friday. And those will be released through Infinite Campus. Great. Thank you. >>

Um Danny, do you want to uh give an update from the governance committee, please? >> Sure. So, the governance committee was busy the last couple of days for a good reason. Um we've received at least two uh board nominations and we've interviewed them um through the course of the week. So, we would be discussing in closing vote. um we want to make sure that our board has um the representation it needs and um I actually take the opportunity to take to our last part of the agenda and continuing to call out um this you know the support for the board and

020sustaining um the board. Um I echo some of the and I appreciate some of the you know parents participating in today's town hall and offering some of their time uh to that extent if there's any of that that we would want to take further for the board. We're constantly looking at um skills um for any skill um but we typically have seen um or benefit from fin you know finance and accounting technology is going to be um a good one >> and um just overall governance and policy um just to highlight a few of the skills that we would welcome. So please bear that in mind. Um our board members have been actively recruiting through our staff um sorry our you know parents chats and whatnot to make sure that we are continuing that this

021is not self-s served. We need your your time and commitment to uh continue sustaining the success of the school. Um, and as far as personnel and staff, yes, definitely. I don't know. Dave want to talk anything about that, but of course dealing with enclosed. >> There's a couple contracts we need to discuss in closed. >> Um, and we'll return for vote on those. >> Um, I'll echo what Danny has said about the board members. Um, I really appreciate we've had a lot of conversations with people who were curious about the board, curious about working on various committees because of a personal interest or a passion. Um, we had someone join a committee today um, uh, just to sit in it and see how they can help. And we appreciate all the help that we can

022get. um you know the the nine or 10 board members we could get allows us to run their committees as we design them to. If we don't have as many board members as we need then committees might have to um be cut unfortunately. Um the um so for next year we have three current openings um and um one uh nomination for us to consider tonight. um another nomination withdrew their nomination after interviewing. Um so if anyone has any interest in joining the board or interest in joining a committee to take a a baby step, please um reach out to us any board member and we're happy to talk you through that process. Um any questions for governance? Uh Danny, do you want to talk about the policy committee? >> Sure. So the policy committee has

023also been very busy uh on back and forth with a couple of our um documents in motion. I would start with the last the credit by mastery. As you may recall, last meeting we brought to your attention a first read and actually we were almost ready. Um but as we were discussing and going through the documentation uh the the policy committee and the uh at excellence um and staff just still needed to fine-tune some of the prerequisites um to achieve credit by mastery. Um so we did voted on um getting you know moving ahead with the credit by mastery and just coming back to the board in over and and and in approving the policy itself after we have refined those prerequisites. So we've shared that to the board ahead of this meeting and we

024would like to take this to vote in close or not in close sorry in vote after you know the end of the of the meeting. So we are ready to move to vote the credit by mastery policy. Then the AI policy this one I personally have taken it as a challenge. Um it wasn't a straight line. um especially because a lot of the documentation and literature around their you know that's that has the the NDPI guidelines and the NC uh and just um experts in the area there isn't like a an A+ as how to go about this one and so there's various ways to get to some place and with that in mind the idea idea for today was to provide at least a first read of how we were thinking about going um

025in handling or going about the responsible use of AI. We figured um just looking at what other schools are doing, we took um feedback from um outside council. Um, Kim, thank you for referring all the resources. And we wanted to take a stab at minimum bare bones requirements. The document that we're presenting today, it's circulated at the first does not intend by any means to be the all how and inclusive way as to how AI should be used um or not be used at school. However, we do as a board wanted to have at least or owe ourselves a responsibility to lay out minimum safeguard requirements that would allow the teachers and staff to start somewhere which are the nos and which is more of things that we can work through through the uh through

026the handbook by taking into consideration the AI guidelines um that the NC um has issued for us. So, this does not intend to be a let's go. I don't think we're ready there. We continue to take feedback. In fact, thank you for those who have submitted some of that feedback. Um and we welcome other ideas as to how we can balance this to have, you know, to get us to a better place or a place that we feel comfortable to start off. But I didn't want to call intended. I don't think we're going to want to we're going to ever get to perfection. It is a very much evergreen and because and not say evergreen but more evolving um matter and because it is evolving we wanted to keep to hey these are the bare

027bones. I don't think we're going to move from here. We know we all want privacy protections. We all we want to comply with our laws. We all know that we don't want cheating. We all know that we so let's you know hold on to these hallmarks of principles that we know we want to hold ourselves accountable to and then go and build from there. Um I don't know if we want to take some time to go through some of these hallmarks but that was the intention of today's discussion. Um, I think one thing that I do want to call out is the plagiarism part because it is not and intent it is intentionally not addressed in this policy. And I hope I have Malik my sounding board in the >> his ear. Um, and just

028remind everyone what's the plagiarism definition is in our policy. um and that we would be amending it to to line up with what this policy would be. So as a reminder, plagiarism is defined in our policy uh to include intentionally or knowingly presenting the work of other sorry to presenting the work of another as one's own without prior acknowledgement of the source. Straightforward. The sole exception to this requirement of acknowledging sources is when ideas, information, etc. are common knowledge. And then we're adding utilizing AI for brainstorming, outlining, feedback, and or editing or disclosing it use and ensuring human oversight will guide the definition of content originality. I don't know Malik if you want to add anything to that of it but I figured that as that was an ongoing back and forth discussion um as

029we were drafting the policy. Um, thank you, Danny. And to kind of state maybe in a slightly different way, but the the policy is intended to make sure the school upholds what Danny was saying is the the minimum expectations. not minimum because we're trying to set a low standard, but minimum in that the use of AI um we want to make sure it's done appropriately within the community following the rules, regulations from a state, local, and federal level. and also to keep our our students safe and to foster an econom um a equitable learning experience um in a safe way. So the policy is focused on kind of setting those those benchmarks um on the board's expectations and we did include the link for this in the eagle's nest. um we don't do that a

030whole lot with policies, but this is such an evolving thing. We felt like it would have been um foolish to not take advantage of our broader community's expertise potentially. Um and again, I want to thank as Danny mentioned, thank the people that have spotted some typos >> um and provided some feedback on things that might need clarification. Um so this is a first read. We'll take those feedback that feedback as we receive them um and incorporate when appropriate. Any questions for the AI policy right now? >> Just um this is this is a big task and this is a great start. >> Oh yeah. Um my goodness came for um yes um to providing I mean she was giving us and supplying us with all the resources but yet I like the way it's come

031together. >> Yeah. And and the idea is if we're we're not the board is not saying NI can't be used or that NI can be must be used. It's if it's going to be used, it has to be done appropriately and age appropriate way and a safe way and then and then allows the teachers uh knowledge of how um it's setting a standard for the students so everyone's on the same page and then on the back end the school will be creating those safety nets to make sure that it's done in a safe way. So that's not for the teachers to administer but for the the staff to the the the broader school to administer. That makes sense. Um any other questions or comments? I would just I'd like to add one one additional thing

032just please the and thank you again Kim for providing us with resources and and I would just remind parents uh to look at the link to the North Carolina generative AI implementation recommendations and considerations for PK through 13 public schools. We did include that link uh so that uh parents and the general community and board members as well can look at you know what is being done in North Carolina, what prior research and what types of guidelines have been set forth so that um you know as we're discussing this process um and this implementation for the next school year that we can we and start at a a uh generally a a common place. So I I strongly encourage that um that the families take a look at that doc that resource the link um

033and then look at our policy uh and how it aligns because of course uh at Scholars Academy you know we'll do things slightly differently but um we're going to try and align that with the with the current standards. >> Thank you Malik. 034was probably going to have more of an update on this, but but I know the finance team has been um interviewing for the financial manager position. So >> great. Any questions for the finance committee? All right. Um, Erica, you want to chat about whole child? >> Sure. >> Um, whole child had a meeting uh this morning actually. Um, we officially and formally met uh Miss Barbara who is our new counselor uh this year. um she has been very busy um with the school evaluating our clinical programs and developing a comprehensive SEAL plan for 2026 our 2026 2027 school year. So we're we're excited to see what um she comes up with and and what uh is implemented. Uh we stressed at the meeting that the board supports um the SC initiatives 100% and that if

035she needs anything including any funding to please come see us. Um and this also uh goes along with our continued um reinforcement that is not an optional curriculum at scholars academy. It is required curriculum. Um we fully commit to the whole child not only academically but socially and emotional emotionally and our focus will be and continues to be the middle school um to support uh their seal aids um both and veterans quite frankly. So, uh, we're looking forward to that and hopefully the whole child committee is, uh, busy next year and that miss us to work. If any parents want to, um, volunteer through the committee, uh, next academic year would be a great time to do so. You do not have to be a member of the board to participate in a committee. >>

036Thank you, Dr. B. All right. Um I'll speak on behalf of the fast committee since um we have a couple board members missing. Um the northern portion of Sun 77 Center Drive is in the process of being accepted and taken over by the city. The expectation is the end of June for that to happen. And at that point, that'll be when the city has officially taken uh over that part of the street for maintenance. And then once that's done, the city uh plans on issuing an ordinance for the entire street for a 25 mph speed limit. And then the signs will be put up once that's done. Assuming no major or unexpected delays, the city tells us they expect this to be done before the start of the next school year. Um it was brought

037up to the fast committee that there was a dead tree on the north side of the property um that was looming over our fence. We contacted the um the the management company for the the area we're in and it will be removed. It's already been marked and it's earmarked for removal shortly. So thank you for um you know eagle-eyed parents who see something and say something. Um, we've also noticed that because of the change in traffic flow on 70enter Drive, there have been some very close calls relating to um people exiting our schools and getting potentially um in an accident with traffic that's crossing um is traveling along that road. So, we want to encourage everyone to be safe and look both ways. you know, it's not a roundabout anymore or an effectively dead end

038while the construction was going on. It is now a very active street. So, please look both ways. We are looking at installing some stop signs at the entrances or exits of the school, whatever your uh point of view is um to to have some signs that will, you know, remind people to stop. But in the meantime, please be safe while entering and exiting the school. Any questions for the fast committee? >> So basically just to understand that what we say is being accepted and taken over by this. >> Yeah. So, um, it appear, if I'm reading between the lines here, it wasn't explicitly said, but I think the street was privatized when, um, so it was owned and managed by the property owners effectively. And then once it becomes like a street like it is

039now, then the city can just take over and then they'll own responsibility for it going forward. And then it's in our best best interest that that's the case so that we can have public um support from you know getting the that the 25 >> and the maintenance too. I'm sure >> the maintenance on it and everything. So I don't think anyone's Well, we did ask for it. So if someone complains I guess they could take it up with the city. >> Exactly. As opposed to us subject to someone's discretion. Got it. Any other questions for the fast committee? >> Um Malik, do you want to share uh any updates from the educational excellence committee? >> We did not have um an update from the educational excellence committee. The last meeting was April 14th. However, the

040last topics um that were addressed during the educational excellence were uh the CDM and the AI uh policies from the implementation standpoint and uh those were transferred into the policy committee. um to to translate that a little bit. Um when the policy committee has things that might impact other committees, we always um or try to reach out to those other committees for their thoughts. So policy doesn't work in just a vacuum. We'll incorporate other committees as as necessary um like excellence or whole committee and then ask for staff who work in those areas to also u contribute to those policies. And that's what was done for the CDM and AI policies. Any questions for educational excellence, their role in the CDM or AI policies? Kim, do you want to give us an update from the

041DEI committee? >> Yeah, we don't have any real updates. We are continuing our discussions on um funding forally disadvantaged students and disingasing marketing and advertising for our coming year. >> Thank you. Any questions for DI foundation? >> Yeah. Um so we are at um our current recorded and um received funds for the year are at 315,65 which is 74% of our goal. And in terms of family participation, we are at believe last time it was like 65% participation. Let me just confirm that real quick. 60 67% family participation. So significant amount of money came through after um the that public was addressed at Northern Night of the Arts. And you know, we should we we will still be working during the summer to capture any company matches that come for everyone. And that's all. >>

042Yeah. So, we'll um sometimes those company matches take a little bit of delay. So, we'll um always um uh look to see those things happen over the summer. And I think also the foundation is looking to maybe change and be a little more active in the beginning of the school year. So be prepared to hear from us again in a few months when the next school year starts um so that we can start school year strong and you know hopefully get to goal um next year if we don't get to goal this year. I do want to thank um all the families and and people that did participate in fundraising this year. There was a really good push at the end of the year here. Um and a lot of people were helping to spread

043the word. So I really appreciate all the effort that those individuals that were calling parents or posting on WhatsApp groups um you know being an active participate uh participating uh community member in the fundraising process. It really made a huge difference um in getting us this close to goal. You know still behind goal but um without your help we wouldn't have gotten this close. So I really want to express my thanks to um all the trustees and our treasure on the foundation and also to those parents that um did the little bits that made the difference.
