005so that all right we couldn't hear you miss piper uh can you hear me now yes we can okay great uh i apologize i do not have my speaker so i just have to sit close to the laptop hopefully i will not have the same technical difficulties as last month since uh this computer has been serviced sounds harder easier to come over than uh than having no uh ability to see anything so let's cross our fingers and hope this works this month i'm gonna go quickly through the um testing results for both our i ready and the north carolina testing program we have already gone through this in detail in educational excellence this month and um discussed you know what what these results look like so i'm just going to point out some specific things
006to you to look at um as we go through this but just want to um keep and to remind you of what our goals are for our students for iready we are looking for 80 of our students to be working at least one half of a year above their grade level which means if they are a fourth grader we would like them to finish the year at at least mid fifth grade that is true for all of our students with the exception of our k2 students and if you recall um this year we introduced our k2 pathways we are not expecting our case 2 students to be working at that above grade level necessarily until they get to the end of second grade so we're hoping that 95 percent of our students will be at
007least working above grade level by the time that they finish second grade and then for state tests i have i'm going to present to you a whole bunch of information and i'm going to point out some specific information for you to look at and that is the piece that says college and career ready which eogs and eocs are scored on a level one through five level five is the highest we would like our students to be at level four or a level five and um that means what the state has classified them as they are on track to be ready to go to college or to have a career after they finish high school so we'd like for at least 95 of our students to be college and career ready as defined by these state
008tests um keep in mind that um not every single child um no matter how gifted they are always does well in standardized tests so of course we want all of our students to be college and career ready but um we have students who may never score a four or five on an eog that's okay but most of our students will so um going through this quickly um these are the i ready results if you look this is four years worth of data for i ready so just going through this quickly this is saying what percentage of our students finished their year at that above grade level um rating so for k2 meaning at least they've me met the early part of being above grade level um and for our three eight students that mid grade
009level above you'll notice that i highlighted in blue kindergarten and kindergarten looks a little bit different this year and that's why i have it highlighted i mean you see the note at the bottom we did something different for kindergarten this year all of our students go into i ready at one grade level above their actual grade so when they are first grader they are entered into i ready as a second grader so they start getting questions at the second grade level and that it adjusts from there for our kindergarten students our kindergarten teacher specifically ask that we see what they know at the kindergarten level first before we get to see what they know as first graders and because this is a cumulative test that asks them a whole bunch of information at the kindergarten
010level before they ever have the opportunity to get to first grade a lot of our students don't ever in kindergarten get a chance to see the first grade questions because the test is only so long and they have to get through a certain body of information but we will get that information about their above grade level proficiency when they go to go to um first grade because they'll be um starting at that second grade level and if it adjusts down to first grade we'll still get that information um so what you see here for the percentage for kindergarten for this year are the kids in kindergarten who scored at least at the end of kindergarten by the end of kindergarten or they met their years growth some kids um may have already started nd or
011kindergarten they met their years growth to get to say end of first grade by the end of kindergarten um are there questions on this line looks like overall in all grades we can see a little bit of slightly less than the previous couple of years um there are some grades in which there are some um decreases but um it's also helpful to look at cohorts and by looking at cohorts what i mean is if you look at say 20 20 third graders and look at that 75 percent those children who took the test in 2021 are now fourth graders and so that percentage is not significantly different when you compare that particular cohort of students to themselves i mean the same is true if you look at that on the fourth grade 82 percent as
012fifth graders eighty percent so the numbers are not um alarmingly different um keep in mind we also have you know students who leave so these aren't exact um exactly the same children year over year but um there are some grades in which there are some decreases but overall the results are relatively consistent with what we've been seeing from our students thank you any other questions about it already okay moving on to um state uh the state testing i um [Music] want you to pay attention only to the column that says college and career ready for each of these grades because that's that level four and five and that's our goal for our students we've broken it down in educational access to look specifically at the percentiles for our students but that piece of information is
013really just for more data um and looking for our teachers to be able to have that data for the purposes of what we consider our school-wide success we're looking at that college and career-ready percentage and um looking across the eogs for third through seventh grade for math um in this in this uh slide and then you'll notice eighth grade there is no tests result because they don't take the eog in eighth grade if they've taken high school math one so none of our students take that test and then moving down to the bottom those are the high school courses math one and math um math 1 and math 3 the eocs and you'll see it's broken down by grade so that we can compare the specific cohorts of students who are taking those exams any
014questions on this one so for this if we're looking at that college and career ready column that's where we're the target is 95 the target is 95 yes okay and how do you feel about it it's pretty much all there i guess math math is um i think we are tracking math did not see um you know too much that was um you know discouraging uh some of the mid grades the percentages are a little bit lower but there's nothing that stands out as being um significantly different than what we've seen in the past okay thanks okay moving on to reading and science reading i have nothing to present to you for 2021 because we have not received our results back yet the state is holding reading exam results with the exception of third grade
015until the end of the summer so uh we will in august we can revisit the slide for reading and then science at the bottom again looking at those college and career ready columns and not seeing anything that's concerning anything about testing everybody loves some statistics okay all right uh moving on to our staff we have introduced a whole bunch of new staff that was in the newsletter on friday for several of our different positions the only positions that we have that are still unfilled at this time is the middle school math teacher we are in the process of interviewing and have several uh potential candidates for that position so i expect to bring a candidate for that position to the july retreat i do have a candidate to present in closed session for our part-time
016music teacher and we are also in the process of interviewing and we have several very good candidates for the open teaching assistant position so no concerns about being able to fill our vacancies prior to the start of school any questions okay um we have been bringing in our new students over the last few weeks to do some placement testing to help us to have a better understanding of who our new students are and to give them an orientation of the school most of them have never ever been on a tour of our school because we did not offer those this year and so we've been bringing parents and students in to let them see the school and to get to know some of their other new classmates most of those students are also attending our
017summer camp which we're very excited about at the end of july that's going to be some of our students but predominantly our new students will be attending school and i know the big question everybody always wants to know is when are classless coming out that'll be on august 6th is when we'll be um putting that information out to the community we will be talking later on in whole child about the mental health plan as part of part of the mental health plan is to increase our counseling presence we do have a full time counselor but in addition to our full-time counselor we are adding a contracted part-time counselor that we are lucky to have some funds through esser that is going to be able to fund this for us and um i do have a
018candidate for that position and there's a contract to um present in closed session for that position we are expecting and hoping uh that we are going to be approved for the access grant that we've talked so much about we will be needing to do some budget adjustments over the month of july and we'll be meeting with ocs to get that budget adjustment approved and to figure out the next steps in getting that started and then that piece that goes along with the access grant is to have that admissions policy that was approved by the board last month all the paperwork that is required to request that amendment to our policy has been submitted to ocs the timeline is that they will take it to the charter school advisory board in july and then in august
019it'll go to the state board of education with any adjustments or changes that we need to make over the beginning of september with an anticipated approval of that policy change in september that is in time for us to get started on our new um enrollment or i'm sorry our new admissions um recruiting and that's just all i have does anybody have any questions for me so mrs piper on the ocs administration between july august and september so this about three months or so would there be back and forth i mean i don't know if we expect it but if they recommend something do we have we have to submit it back is that the timeline those three months i would expect any editing that would happen to actually to come out of the the csab
020on this charter school advisory board i would expect that anything that comes out of that committee the state board of education would accept but um she did say it's basically a three-month process it needs to go to the to the charter school advisory board in july to the state board in august and then again back to the state board in september so i think that's just the recommended you know in anticipated timeline okay no other questions for me thank you you're talking on mute molly okay next thank you mr piper the next item on the agenda is the expansion committee update um the expansion committee um again uh just want to reiterate again this meeting um that the school will remain our current home for the upcoming year the committee is continuing to seek opportunities
021to for in order to meet our expansion goals we are currently vetting brokers in order to get our building uh back on the market um in the near future and i would like to discuss further enclosed regarding contracts thank you the governance committee is the next item on the agenda sabrina if you would sure thanks malik um the governance committee met uh this month and had a number of topics to finish up you know with the year-end uh sort of roundup we went ahead and finalized the strategic plan with all of the year one action items and those have been posted on board on track they've been posted in two different places um one if if we need it it's um in the private section under committees but it's also under the public portal under
022a file just called strategic plan so anybody um in our community can go there and see sort of where we're at um but i'm hoping that it's a working document and you know as as i roll off and somebody else takes over governance that that you know document can continue to be changed as we move forward into year two through five of the strategic plan um another thing that we talked about was making two changes to our mission statement um in speaking about our equity goals we have decided um in governance to make a recommendation as you know put into the agenda to add the words equitable learning environments and to classify highly gifted children from diverse backgrounds the reason why we want to make this is to go ahead and set the stage for
023the diversity and diversity equity and inclusion committee to go ahead and make some equity goals but before they do that they need to have you know a mission statement a goal so this is our proposed change to the mission statement happy to discuss it um if anybody has any changes or feedback but otherwise i'd like to go ahead and present it for a vote if we agree malik would you like to do this now or do you want to do the vote after [Music] sure no problem so if anybody has any feedback between you know now and then um feel free to share it and close and then when we come back out we can vote on that another item for closed session is the board member slate for next year we've concluded the interviews
024and the governance committee does have a recommendation that we'll be presenting and closed and we'll also be presenting officer nominations and then doing elections after closed as well and the last item is some staff contracts that have been given to us from our attorney that have been modified and there will be the new contract excuse me the new employment agreement templates that we'll be using for staff going forward i've already presented those via email to everyone here thank you catherine for the comments i've gone ahead and changed it as on google drive if anybody needs to see um with those where they were mostly ministerial but i appreciate the edits uh so we'll discuss those and i'll need another vote on that any additional questions for sabrina thank you the next item on the agenda
025is uh the committee update from diversity and inclusion thank you so we did have a meeting i think we rounded up with the polls for 20 20 um 21 and we also did talk about the equity statement and goals as such the committee provided some feedback on what equity means for scholars so based on that we'll be drafting uh administration we'll be drafting the equity statement and uh we'll be providing the dei committee the work to develop goals for the strength you know the tied towards strategic goals to expand on those equity statement and goals any additional questions for datsu thank you then the next item on the agenda is the uh committee update from educational excellence catherine if you would me we did meet this month and as miss piper's already explained we spent
026our meeting reviewing the testing results that she's already presented so i don't have anything extra to add for that i would just like to remind everybody that the first day of school is august 24th and hope to have full attendance from all students thank you catherine the next item on the agenda is the whole child committee update sheriff you would thanks malik okay so the whole child committee update is pretty robust today the whole child committee met on tuesday june 22nd to discuss the sel plan for the upcoming school year and the comprehensive mental health plan so um starting this fall all students will be focusing on social emotional learning at the same time sel will be at the beginning of the day on monday wednesday and fridays from 8 10 a.m to 8 35
027a.m mondays and fridays will be lessons wednesdays will have a rotating schedule that will include diversity topics small groups with guest speakers sell buddies which will eventually include a service learning project and hopefully whole school sel as soon as large group indoor um large indoor group gatherings are permitted um so the correct curriculum from the sel lessons will be coming from a second step which is the program already in use and this fall teachers will assist students in making asian grade level appropriate personal sel goals and then progress towards these goals will be evaluated throughout the school year by teachers and parents as well as the students themselves and we hope the students will feel empowered as they track their own success towards these goals now for the mental health plan and so i'm going
028to give credit to noel zagorski who gave me this great summary to give the board because the plan is like an 18-page document so um the board has been given a copy of the plan to review in advance of today's meeting so in june 2020 session law 2020-7 was approved by the north carolina general assembly it's an act to require the state board of education to adopt a school-based mental health policy and to require k-12 schools school units to adopt and implement a school-based mental health plan that includes mental health training program suicide risk referral protocol following this the nc state board of education adopted a mental health policy that aligns with the legislation and details compliance requirements so um our plan begins with our why our vision for sel and school mental health improvement
029along with the members of the names of the members of the school mental health committee who prepared it a plan outlines content and action items and the status and the person's uh responsible on the timeline and some helpful resources so most of those resources were provided by the state but we've also added in our own where needed um so the plan moves forward to the state the school strengths and needs for the sel and mental health prevention plan mental health committee identified some needs to develop standards-based outline of topics to be addressed during sel and mental health instruction develop an sel mental health needs assessment for all students and families a completion of needs assessment and develop a plan based on the results of the needs assessment and family survey results provide more intensive support
030for students if needed outside hire a part-time counselor to work in conjunction with the full-time counselor so that's been completed already implementing staff training and researching suicide prevention for uh k-5 and training for staff creating and distributing a mental health inventory survey for parents the plan continues with stating our uh current sel and mental health prevention initiatives that are already in place at scholars then lists activities to build and align the infrastructure which will consist of staff and student training our plan moves on to discuss the plan of action for tying the infrastructure to our academic objects the remainder of the document lists activities and action steps in relation to sel and mental health prevention early intervention treatment referral and re-entry so this is a working document the staff committee will refer to the document
031throughout the implementation to ensure the action steps are being completed and uh and that they're following through with the plan and the committee will also review the plan nearly to make any adjustments if needed so that's the mental health plan that the board is going to vote on following the closed session does anybody have any questions about it all right and that's all i've got thank you sarah the next item on the agenda is the policy committee update or if you would um so the policy committee did not meet this past month um we had been focusing on the access grant but as ms piper said our paperwork has been submitted to ocs so now we await approval thank you the next item on the agenda is the uh development committee update aj if you
032would sure uh so the most uh as of july 11 uh june 11th there was an update that i'd attached to the agenda uh this morning i got the more up-to-date uh figures thanks to tony thank you and it's a fairly uh better number uh as of uh this morning so if you're looking at the update in the packet itself the received amount that was listed at 404 268 has jumped up slightly by 5000 to 409 the pledges are also up to 86 626. and uh that brings the total in with the write-offs at 481 764. so this is 481 764 as opposed to 472 710 that has been received but there is a projected figure that tony provides also based on some historical trends and what we have done and what we have seen
033in the past and so uh she's confident that her projections for 20 20 21 annual campaign is going to be around 452. that number has not changed since the last month so are still steady on that figure so that was the annual planning campaign update we did meet for june the last meeting as a development committee for this year there were general discussions around the planning for agc going forward how this would be uh available in a different format as we kind of move into the foundation space and then we'll continue to provide updates through a different mechanism there and that's all i have for uh today's call any questions for aj then the the next item on the agenda is the uh foundation committee update money if you would yes um so the foundation
034uh along with the development committee you know we met last month and we came and set up some goals for the um next in a short term goal basically to get the license uh while waiting to get the status adjustment from the irs um so that being said i think aj gave little bit of heads up um so basically the ajc uh agc is planning to move to the foundation and i think we sent an update about the introduction of the foundation to the general community in the last week we meet in the last weekly mail newsletter so i guess more information to follow on the future activities about the foundation the only thing i'd add is we're still working on the uh establishing the policies with foundation updating them to updating the schools policies
035that would apply to the foundation and we are working on the foundation membership and we'll come back with further discussions after closed on that as well the next item on the agenda is the finance committee update adam if you will thanks malik so the finance committee met last week we went through this year's budget in great detail and how that parlays into next year's budget projections and went through that in great detail there was an attachment provided that has a snapshot of how we expect this year's budget to end so we have some budget amendments that we're proposing today and then our outlook for next year's budget so this year i mean speaking to this year first the budget amendments are really just cleaning up all of the line items to align with year-to-date actuals
036you know we've got actuals through june 24th and our fiscal year ends june 30th so we're pretty close to having final numbers in on that file so what we've done is just adjust the budget to be you know as closely aligned to actuals and there are some things that we know that haven't posted yet so we've adjusted for those um so it ends the year very well i mean we've been in good shape all year we're ending with a budget surplus so that's good that will roll into the fund balance for next year so let me pause there real quick any questions about this year's budget or budget amendments i was just curious where the ppp is reflected on what you sent out it's a good question where does it go and i think you
037maybe you're going to talk about that later uh so i'll i'll uh i'll cut to the chase on the ppp loan so the the ppp loan update is that the ppp loan has been forgiven officially so we do not have to pay it back yay you don't see that on this year's budget because we received it last year right before the end of our fiscal year so we received it last june it showed up as funds in last year's budget is not present in this year's budget at all thank you congrats on getting it forgiven too that's awesome yeah i have to give heather all the credit uh heather who who volunteers on the finance committee is also a cpa she did all the work um so we owe her a big one um [Music]
038so looking at next year's budget projections so a couple of key assumptions for next year's budget right we're assuming a two percent increase in the oh wait time out time out sorry one more thing to cover on this year's budget i just wanted to call out there's a difference in the agc line the numbers that we call agc and the budget versus the update aj just gave right so aj and tony will look at the campaign and what they've raised this year for the agc campaign but what's in our budget is monies we've actually received during our calendar year and so some of the money we received you know july of last year might have actually been from last year's camp the previous year's campaign right but it shows up in this year's as revenue
039through agc so um part of the budget amendments for this year is taking the agc down from 495 which is our original target down to 475. so you might hear me or someone the finance committee say agc in our budget for the school year received 475 although tony and aj may say a different number and that's based on the campaign year which may not be collected within the school year so just in case that comes up don't want it to cause confusion but i mean we budgeted 4.95 we're expecting 470 that's 96 percent of the target so i just wanted to congratulate aj that's that's great work so thank you and tony if you're on still tony's the real superstar here yeah okay sorry i had to say that about this year's budget i wrote
040it down and then just didn't even look at my notes um okay so next year's budget some big some some key points to bring up we're assuming agc target stays the same 4.95 we've updated our fund balance or cash reserves which catherine pointed out in last month's meeting it shows up on our budget even though it's not really revenue it's just think of it as our savings account money we have in savings so that's going up year over year 117 000 so that'll be reflected in next year's budget um we assume state and local funding will go up by two percent as a conservative estimate based on the last couple years it's gone up more like four or five percent every year but to be conservative we're going to start the year with two percent
041we are updating salaries and wages to move up in line with the cms raises that that they put out so we're competitive with charlotte mecklenburg schools and pay and then we we also are updating higher retirement match so uh good job on all the staff they're contributing more to their retirement so that means we are matching more uh so that expense is going up and and then there's a whole bunch of smaller stuff like we're increasing marketing a little bit next year um we expect health insurance to go up a little bit next year um do you mind if i clarify something real quick about salaries the salaries are to put our staff in line with what cms employees would make this school year the state may potentially increase salaries for state employees for this
042coming year but that information will not be published until after our contracts go out so um it is to put them in competitive pay with what a current cms uh teacher makes yeah so we're always kind of the contract you're behind because we have to start our contracts now but we cms won't announce the new contract price until the fall when we're already locked in um so there's also the addition of all the grant money that mrs piper talked about um but it's part of that grant money's reflected in our current budget with the exception of the nc access grant so if if indeed that does come through as you pointed out earlier that will require significant budget updates uh once we are confirmed there um but adam would that nc access grant have its
043own line item or would that be embedded with other things no they'll be separate line items so all the grant money we receive regardless of the source we have to isolate those revenue lines separately so we can track that and the government wants to be able to track how their grant money is spent and then we also have separate expense lines so for every dollar of grant money that we spend we have to be able to show exactly what we spent it on and so until that shows up the budget does the future budget doesn't reflect that the 20 correct okay and when we do receive it let's say you know let's say it's 500 thousand dollars in grant money it would show up as rev we would put in 500 000 of revenue and
044500 000 of expense in the budget so it would have zero impact to the bottom line and we would just assume you know and then book them accordingly throughout the year as we actually spend the money or in the case of the nc access grant over the course of several years [Music] i think those are all the highlights for next year's budget miss piper anything i missed you wanted to call out no okay uh so as you guys if you guys have the attachment i mean you can see there's a good budget surplus going into the air which is always a good feeling compared to last year we went in at a pretty much break even it was pretty nerve-racking so this year we feel much better position uh going into the year so what
045happened and go ahead so the one last thing i wanted to call it was foundation budget so [Music] we are not going to have a separate budget for the foundation there's going to be one budget for the school which incorporates foundation revenues and expenses so like the agc will now move over to the foundation that will be a line item in the school's budget and then all of the expenses that the foundation incurs will be their own separate we're going to create new well i have created in that file um separate line items for the foundation so there'll be say legal services for the school legal services foundation uh accounting et cetera so that we can pull together a budget we can put together what the foundation budget would look like you know what the
046revenues and expenses are for the budget but it won't be maintained separately by acadia by our accounting provider we don't need to pay separately for that we can just manage it ourselves with as long as we book it in its own respective accounts that's that's it um any questions any other malik was there something we're gonna add i was gonna say thank you adam and that uh if there are expressed uh if there are questions that we are going to close because there are some other um accounting and uh contract discussions that may um have had an impact on the budget so we'll be able to have that discussion enclosed and then we'll be able to come out and have to close to vote on uh the budget amendments and the budget approval for next
047year okay thanks thank you the next item on the agenda is the second opportunity for community comments those comments are subject to the following guidelines the public is welcome to speak limited to three minutes per speaker topic should not cover private confidential or personal information the board will not respond or enter into a dialogue on topics discussed at this time you may indicate your desire to participate in community comments by raising your hand if you'd like to raise a hand click participants in the lower or upper section of your zoom chat in the participants window select raise hands on a windows device that's the alt and y or on a mac apple machine the option plus y uh these are keyboard shortcuts to raise or lower your hand when it is your turn a moderator
048will identify you by name and then grant you access to speak stop the sharing move over to the attendees line and see if any of the participants would like to speak at this time all rights i don't see any raised hands the next item on the agenda is our closed session as noted in the agenda or meeting to prevent uh the disclosure of information that is privileged or confidential to discuss material terms of a contract or proposed contract and or to discuss or consider employment contracts we will move into closed session uh if i can have a motion to enter into closed session for one of those purposes um manic before we just move the closed and come back i guess we'll lose some of the other audience so i just want to take the
049opportunity i know that some of the board members are rolling off this year um so just want to extend gratitude thanks for all the hard work all the long hours we put in and uh you know we much much appreciated each of us i've learned from you with all the work that you guys have done um malik um sabrina and you money thank you for the work you know we've laughed we we spoke we've met we debated we did all the fun stuff but you know with your help scholars academy is in a much better shape and it's going to the right direction so wanted extended thank you and gratitude from the rest of us still continue but you get effort three years and four years in some cases here was very very appreciated heartfelt
050thank you thank you sridhar and everyone glad we were able to help you know the little that we could do no speeches oh where we're on time this evening okay that's what we're gonna say that we uh stay in track the only time this year that that might have happened in the midst of this quote-unquote unprecedented year um but uh thank you and it has been fun um so um i i didn't hear a uh set a a motion to adjourn excuse me sorry about you ready to close you know i'm not moving the office um but anyway um what was that aj joe moved thank you is there a second yes second ready and all those in favor of moving into closed uh if uh please indicate by stating aye aye aye the motion
051to enter into closed carries by majority and we will roll over to the closed zoom you
