Mrs. Pires? Present. Mrs. Crumley? Present. Mr. Cole, present. Pledge of Allegiance. I pledge allegiance to the flag Any changes to the agenda? Uh Madam President, no changes. Do you have a motion to approve? I make that motion. I'll second that. Mr. Cole? Yes, ma'am. Mrs. Johnson? Yes. Mrs. Pires? Yes. Mrs. Crumley? Yes. Mr. Cole, yes. On to minutes. On January 22, 2026, the Board of Education met in closed executive session at the conclusion of our regular meeting. The board discussed only the matters listed on the agenda and stated in the motion to
adjourn the meeting. There was no action taken in closed executive session. Any reports from NEA Dammy? NEA Dammy? I have nothing to present at this time. Thank you. Mr. Holman, superintendent reports and updates. >> Okay, we'll go ahead and start on our slideshow. We'll go ahead and start on our slideshow. We want to invite Mrs. Simmons, Crystal Simmons, correct? From First Savings Bank here in Deming for a presentation. So, if you want to go approach up there or if you want to join us in the in the front. Hi everyone. So, I work for First Savings Bank. I'm the loan branch manager there and we have Sorry. We have a lot of loan opportunities. We have a debit card program for the Wildcat card and a portion of every dollar spent goes donated back to
the schools. So, that is why we're here today. I believe this year was $2,500. On behalf of us. I was going to give the First Savings to Mrs. I'll go ahead and give it over to you, okay? Okay, so how do you want to do it? You want to give it to Mrs. Simmons? Yes, please. Yeah, go ahead. All right. Thank you, Mrs. Simmons. Appreciate it, Mrs. Simmons. Thank you so much. Have a good day. Have a nice day. You have a good one. Thank you, Mrs. Simmons. Thank you so much. Mr. Holman, Deming Cesar Chavez Charter High School monitoring update presentation. Thank you. We have a brief update from Sam Gonzales. She's joining us virtually, so we'll have Mr. Winter switch that on and Miss Gonzales, Miss Sam. Hello. Good evening, Madam Chair and
members of the school board. Um I'm here to provide just a brief update um on Deming Cesar Chavez. So, I've met with Marlene several times since the we've all returned from the holiday. Um in the school I'm I will say that I'm quite impressed. Um she's working to implement school-wide policies and procedures and more specifically systems um that I think are going to have a really positive impact on the school. Um I think most notably I've noticed there's been a huge improvement overall on the governance website aspect. Um they've completely redone their website. You can find their minutes, their agendas, their meeting recordings, their OMA resolution. Everything is there. Um the information for the board members is there and it's all up to date. We're also very pleased to report that the quarterly reporting for
the finances um have been timely and in fact the school has submitted uh Q2. Um we have established a date for annual monitoring and that will be April 20th. Um we will meet several more times to support and make sure that the school is prepared for that annual monitoring. Um but all in all it's been a pleasure and um I'm really excited with the progress the school's making. And I'm happy to answer any questions. Thank you for the update, Mrs. I pledge this time for Miss Gonzales. If there's any information that you do need in the future, reach out to the controller. We'll make sure that gets included in future monitoring reports from Sam. Thank you, Miss Gonzales. Thank you, Miss Gonzales. >> Thank you so much. On to 6C, Deming Public Schools special education
evaluation process. Uh Madam President, members of the board, um we are currently uh responding to a missive public education public schools special education corrective action plan. Part of this systemic corrective action plan uh is related to resolving some evaluation timeline issues. Um as the chart below uh Mr. Mr. Signs are going to explain to you a little bit about the process that we're using. In addition, uh this single sheet I'm going to give you also shows the state uh evaluation timeline. That way you're able to see the uh differences and how we're adding more detail. Mr. Mr. Signs. Good evening. Superintendent Holman, you do not have to worry. It's very easy in Deming. We have no issues. We will need to talk to you about the action we're taking out of the district. In the
light of action plans that aid, we needed to you all about our policies. Although we're not changing any policies in relation to how we do special evaluations because the policies we have in place are to the state and federal laws, we are refining the procedures that we're doing. And in lieu of transparency, we wanted to bring these to you guys so you can see the immediate changes we are taking to address this corrective action. We did provide with to you the state guidance and as you can see the very first flowchart, this one, it's it's it's very minimal. And I wanted you guys to see the extent that we're going to to improve our procedures for the same type of evaluation deadline. And Mr. Signs, I'm going to turn it over to him to talk
about the new procedures that we have developed to address the violations that we did receive based on the corrective action. Mr. Signs. Madam President, members of the board, Superintendent Holman, in front of you you'll see our our newly created pathway to go ahead and and ensure that when parents are requesting an evaluation, um I'll start from the left. There's there's four ways that that evaluation can be requested. Parents will be requesting evaluation to a licensed staff. The next one is a a request made outside of the IEP committee. It should be an email to myself or or um the assistant director. Um it could be administrator in any of the schools. And we did just to let you know real quick, we did create a new website that Mr. Winter has been amazing in getting
it going. And so we do have a new website called [email protected] and it will go to six people. So, we can make sure we don't miss an email. So, I just wanted to highlight that Mr. Signs does say that the email Mr. Winter was immediate. It's already active and we've already received these requests. Thank you, Sam. The next one is a verbal request to a licensed staff. And the last one at the way right is is a request from an IEP committee and EDT where in the PWN they will go ahead and note that um they're they're asking for a an evaluation. And um we'll take it from there so we can go ahead and start the process. So, we'll start from the left. Um of course the the second box underneath the parent note
asks the signs and dates note reported to the principal. And the principal has 24 hours to go ahead and and um send that through that new um email that will have a uh there'll be an opportunity for six of the the people that it goes to to go ahead and and and act on it so we can start the the the first step which is the consent. Um The the if you go two boxes over where it says verbal request, um the licensed staff will report it in to the principal and then they'll use that that website to go ahead and and and um get it to to the our attention so we can go ahead and begin that process. We are putting together a multi-disciplinary team that's going to be meeting possibly uh two
days a week, Tuesdays and Thursdays, made up of uh a psychologist, a lead psychologist, a uh possibly another lead psychologist, an OT, a lead OT, and an SLP. And their job is is to take two days to go ahead and look to see if they have enough um data or or information so that they can they can go ahead and and move towards um evaluation. Um as we go down to the next step to the left, not going to evaluate based on solid data. Um the district will provide a PWN with a rationale and procedural safeguards to the parents. And then the parent the principal, the parent, the teacher will meet to create an action plan to address parent concerns. From the ENT, you can go down uh to the right, agree to evaluate, prior
written notice of intent to evaluate, procedural safeguards, and the request, parent consent with date uh stamp. So, we want to go ahead and give that as soon as we have a parent with us, get them signed um in all areas, so we go ahead and and upload that into our Spread Track. And that way it's also visible to all the evaluators. Then we go ahead to the right. Um the request for an IEP is we give the facilitator the request and send it. We do have some ESY office to get parent signature at the IEP, so they may go ahead and step out and say, "Can you send me the IEP for this student?" Um maybe it's a diagnostic. We go ahead and email it. Then we'll go ahead and and put it out on
the the blue color, which is our um solid um stamp consent. Uh the the parent will need consent submitted to email coordinator within two school days. And then we go down to the evaluated coordinator dates and stamps the evaluation envelope to consent. And then we go ahead to the middle. The evaluation the evaluation coordinator stamps and uploads into uh Spread Track and it's uh it's stored for immediate filing. Evaluation coordinator notifies all evaluators with request and email and a spreadsheet that that also is is being worked on right now, so it's being uh ensured with all the evaluators. Then we go to the left. Um what is the evaluation coordinator uploads uh email packets into Spread Track within 24 hours of receipt and notifies all evaluators to confirm that the packet is uploaded. Then we
go to the right where the evaluation coordinator will track and also track evaluation signs. Uh that way they can look at the spreadsheet and notify admin and facilitators weekly. The parents are are always calling the school to see where they are with the evaluation. This way they can go ahead and give them an immediate um We're now in the in the the the the evaluation part, so they know that it's already been sent to the evaluation. Um to the right it says the evaluation might will upload um email to the Spread Track within two months of evaluation completion. Uh must be within 60 days. Um then the email the email evaluation coordinator when completed. Going back down, as we go down it says that um the facilitator will schedule an EPT um after it's been
after the the evaluation is done. Um we've got 15 days to go ahead and get that set up. So, we go ahead and and and uh meet to see if the student meets the eligibility. The facilitator will inform the case managers weekly of value in the evaluation timeline progress. And of course the evaluating the evaluation coordinator will follow up on any EPT meetings to make sure timeline is met. EDT held, facilitator has completed EDT data, analyzes EDT and Spread Track, and that uploads the EDT into um our Indian Campus. And if the IEP not held the same day as EDT scheduled, held within 30 days, uh notice to parent, then within 10 days right to action. >> [snorts] >> Staff, any questions? All right, I have a question. How many um evaluations are requested in
any given um by parents or by administration or more or less? It it's I I don't have a definite number, but I know that the the request Yes, it happens. How many right now we have pending because of the corrective action just in that. So, I I do want the board to know, although we have a scope of time in this corrective action from October 7th, 2024 to October 7th, 2025, we are putting in these processes for the evaluations that happened before the timeline and the ones after, so we're not Although we have to report the scope the problem IEP the problems one to PED in that scope, I want you to know we are addressing everything. And there's a lot. That [snorts] it's it's there's a lot. So, I don't know how many are
um Here's what I want to be clear, not all of our problems are because we didn't give the evals. Some of it could be we didn't do consent in the right appropriate 15 days. Or it may not it may be that we didn't hold the EDT, so we forgot the eval. So, this timeline that we have, there's multiple areas that we have probably not met the state requirements. >> How many are we talking? In the timeline of the scope, we're at 310. That are outside the scope of the >> That is is that we have to report to PED as problems. >> That had an issue. Had an issue. And to be honest, I we haven't looked at the ones We have a stat that we're looking for the ones before and after and we're
getting those going, so um those evals have been in signed as much as as fast as we can. We have to have the list finalized to the PED by March 6th of how many problems we have. And today we're at 310. Okay. And is that you're just finding that it didn't follow the process? Correct. It didn't follow where the It was It was too vague. So, they're you all didn't know who was next in the step. Is that why you're trying to stay much more in depth? Or are you trying to speed it up? No, this is this The PED didn't give us the detail that we felt like we needed the the very specific to make sure that we don't have any problem ever again. Okay. And with this one, it has been like
three months. And everything took the longest. Is that how long it typically takes or is that what you're trying to correct? >> That's the question I get a lot. No, so how long it takes. I'm not factoring, but I've learned a lot. So, if they got a consent was given in two days, not the 15, the eval timeline starts on the day the consent was given. We don't get to We don't get 15 days. Right. So, if the eval was done in 20 days, not the 60 days, the EDT goes into effect right then. So, we could get it done in like two months with everything is right on top dependent on what is available. Each step takes the But I will tell you we won't I don't know how we won't based on what
the PED has given us. For every mistake, we have to have a PED facilitated IEP. And there's only four PED facilitators. So, we're And I did meet with PED this morning to say I don't know how we do this because I don't know how four people can help us and we don't want to be waiting. So, we are working with our lawyer and Miss Nick Springer and we've been going and we're trying to figure out how they want us to meet this. We have a plan and so that's a little area that still Madam President, members of the board, um couple things, right? This is a This is a significant issue that needs to be reviewed to ensure students are being evaluated and that at the end of the day, if need be, have access
to the supports that they need, right? This is not something that just happened uh this yesterday or this year, right? This is unfortunately been a situation that's been cumulative and I cannot thank Ms. Reinhardt enough for her incredible leadership uh in learning services to making sure this gets done, right? The uh in the last four months, the clarity her leadership has brought to the tackling of this situation has been very significant and uh I know moving into next year as we go into our budget process to examine how best we can support these uh needs of the department. Um I think we're on a Again, there was a challenge. Um I I think we're now going to be set in in the in a positive direction to meet to meet these needs. We're going to
get back on track. We are. We are. We are going to be back on track. And I think it's the students who suffer, right? And so, I'm grateful um that you all had the courage to bring it in this way. Um so, I do I do appreciate that a lot. Thank And and I do want to highlight all of learning services. It's this group here. They We've read 8,000 PWNs. They are working They have put their job Everybody they still trying to complete their own jobs, but everybody in learning services um have read PWNs and we've identified where evals have been requested. Cuz we don't want to miss a kid. Yeah, right. We did So, we took every PWN and we looked at every student's record. So, we just didn't take We didn't pay attention
just to the timeline. Thank you. So, thank you. I thought that one more question. Um what I noticed here is that there's a lot of responsibility that the evaluation coordinator has. So, what's the difference between the facilitator and the coordinator and where are the coordinators located and where are the facilitators facilitators located? >> So, right now this evaluation coordinator is an old person Yeah, the job. Right now right now I'm doing it and um we've also Mr. Stein is doing some. What we did is it's a it's a job description right now. Eventually, I think that's one of the things that I'm going to request that budget. But we did We wanted to be very clear. Right now I'm fulfilling that role. Wow. There's a lot of responsibility on the coordinator. >> Yes. Yes, but
um I I wanted you to talk very highly about the staff in the sped office. The girls in there have been amazing. So, we met yesterday. Every square we assign who's going to help do that square. Okay. [clears throat] So, we have a system. We're going to be tweaking it, but we we are attacking every square with a person right now. But, eventually this will become one person. One square. I'm assuming this is final or about final as a process. Is this that we can put in our policy handbook as a regulation? Madam President, we've been absolutely we have our standard procedure manual that was that was amended. We can include that in that procedures manual cuz that's typically what guides most of the sped work in the district. That's supported by the policy, but
that's a document that we have and we can work with our business department to work something out for that. Okay. Or even if it is going to stay in that sped handbook, is we can make sure that that handbook is available online. Cuz I know even as a parent I have trouble finding handbooks on the on the website. And then Justin and I have been working on a new handbook. And so, he has been we've been thinking those things too as we've been creating a new handbook. Everyone make sure that's in there as well. Okay. Any other questions? Thank you. On to windy procedures. Okay, Madam President members of the board. I know the southern New Mexico and I'm used to the wind. Maybe not the windy days. And so, I just wanted to share
with you. We did share these basic wind decision factor procedures with our community last week. Again, I think the decision factors are the most most challenging things to look at. So, we really rely on the the national weather service. You know, when are going to be the peak day of the peak wind gusts? What's the air quality? Have they issued any kind of alerts? Visibility, safe transport kids. And really, when we're talking about the wind itself, if it's one of those days where the the wind is above, you know, really high in the morning, we get kids here safely, but it's going to die down after we're going to have we're going to have we're going to attempt to have school. It's really as we get into a little warmer, a little drier here in
the next month, it's going to be at the afternoon. Okay. Next slide, please. So, our actions that we're kind of trying to put in three buckets, we're going to try to stick to these as best we can. If we have enough information the day prior where we really can't get to most schools safely, we'll just cancel the entire school day. We'll try to let everybody know ahead of time. I've learned that if you know ahead of time, everybody can plan a little bit better. I also recognize that the schools school district, you know, we're a large employer here in the district. And when we choose to go half day or cancel, we recognize that it impacts the broader community of Luna County as well because, you know, people need to be available to supervise their
kids. We would always on a windy day if we were going to get a half day, we would want to offer it with an early dismissal. We've set kind of a standard early dismissal time that we're sticking to. That's the early dismissal times that we used last week. We would hope that we can continue to use those times. What I've learned is that again, unless it's an extreme windy day, really the transportation had outside of town some of the rural routes last one that become a little a little more dicey. So, if we ever have an early dismissal we think it's going to work out at 11:30 where we believe those in town buses going and the in town pickup happening safely. If you feel, hey, you know what? I got a little issue here
with getting the kids down on the out of town highways, we don't we'll hold those kids until those is in place, right? And deliver them when it's safe. Again, that's how what that last one says. If we have to start a school day or we think we can have school and we can't get that early dismissal, you know, we would rather we would likely try to shelter in place. So, these are our three, you know, decision points that we're going to attempt to use this year. I know we have a lot of experts with our transportation department and safety department that that give good advice on that. And again, we'll try to communicate via, you know, Facebook and and Infinite Campus. So, that's kind of what we're looking at there. And next slide, please. And
of course, there's a little bit other information here, right? Saturday dismissal, our procedure for Saturday dismissal is in our CBA. We want to stick to that. And then, we're currently working with auxiliary services about any potential remote learning days. We have four days that we could use remote learning if we needed to. We would really want to try to hold those for a day we might have to cancel the whole day. And so, I know Miss Reinhardt's in between working special education project. I was working to communicate to our principals that we need to get some windy day kits ready for our kids that when we get back from spring break, they can have a packet on hand or something if if there's an elementary kid a packet on hand or something virtual to do.
And then we'll work with the data integrity department to get that properly reported. So, right now that's our framework for our responding to windy days and we'll be happy to always take any any feedback or input or anything that we may have we may have not considered. Any questions that I can answer for you all at this time? Questions? Thank you. Do we have any public comment? No public comment, Miss Madam President. Okay. Thank you. On to the consent agenda. Okay, Madam President. As we kind of move into this semester, we're going to really try to leverage some things on our our consent agenda that are that are things that, you know, um kind of already agreed upon, things that need to happen. We provided information to you all in the packet to review ahead
of time. So, I'm just going to give a brief summary of each of these items so the public will be aware of, you know, what what this covers. Obviously, every month in consent, you know, you approve the payment of bills, you approve the minutes from the last meeting. We have started to include our out of state travel on our consent agenda. So, we have our our so our teachers are excited to travel to Utah at the end of the month. We have Frog Street curriculum. That is a that is the pre-K curriculum. It is a curriculum that they use. They're purchasing a new version of that because there is a now three-way and four-way version that they want to purchase two different versions of. So, that's from Mrs. Swing. Again, I know Ben would like
to talk all about his disposal of technology products, but we wanted to put that on here too because Ben always gives great detail on his submissions. We have replacement of the suburban. That was that was correct, I suppose. And again, that's what that is. And we have a we got a we ordered that from the state. We had ordered a We ordered a I think we had ordered a 40-foot bus and we really wanted a 66-foot bus. So, we this is you already approved the purchase of this bus. This is just a little bit of an increase to make sure we can afford the extra feet on the bus. And then, the minutes of the fleet service contract that's listed on the appendix, it lists all the buses that they purchased. It's just missing the
proper VINs and other information on there. Then on the next page, you'll see we did talk about a couple of times the amendment the policy amendments to about booster organizations. We had a couple of readings on that. So, this will be the final approval of that. We have a contract we are going to be entering in finally to get it some design done on a replacement for central cafeteria. We know it's been in the last couple of bond elections. So, we'll be doing that. Please note, that is of course for, you know, approximately combination of a multi-use multi-purpose training center plus the cafeteria. At the end of the day, the the the architect will only charge us, right, for um what we finalize on the design. So, again, you'll have time to approve that design
and review it as we go forward. This is just getting the architect under under contract. Then we have a amendment to our fleet service agreement that is we they got the new buses. So, we have to have a new schedule of payment for those new buses that we the lease payments. So, that's just adjusting the lease payments based on the new buses that they received. And then finally, on the left hand side of the consent agenda, we have it's time to replace the exhaust fans at Clovis Elementary School to make sure we maintain good quality air quality out there. So, it's time to replace those. And that's a contractor to do that. And then of course, on the right hand side are all of the maintenance bars that are just moving things with in function.
So, it's from, you know, from from supply material to maybe a salary. And there's a couple of increase bars on this consent agenda that that are increasing the money we receive from the state for these transportation needs paying for the buses and the new leases. That's what those increase bars are. So, that's our consent agenda this evening. Any clarifying questions about the consent agenda? Thank you, Mr. Walker. Any questions by board? Do you all have any motion? I'll make a motion to approve the consent agenda as stated in the full agenda. Is there a second? Mr. Walker? I'll second. Mr. Johnson? Yes. Mrs. Padgett? Yes. Mr. Cronie? Yes. Mr. Crooks? Thank you. On to our discussion items creating a unified focus core values core purpose and big goals. So the senior we have Mrs. Principal
Thurman. I saw Mrs. Thurman here. This evening she'll talk about Chaparral Elementary School. I think we'll see that I think we'll conclude with the time and our lunch we do. Oh, all right. Good next I got something important. So I can explain everything so much for providing us the time and the platform. to I don't know what about our school and our good plan for our district. So that's what we're going to talk about today. Come on in please. So these are the items that I have here tonight that I would like to have you share with you our school's vision mission statement. They say good morning in the morning announcements and we built our core values and big goals around their vision. So here we go guys. Thank you very much. I'm going to
use the email. So I think the word to make sure that our core values align with that vision. Um I want to be taking that as an educator you don't too Um But I want to show the world that we're guided by supporting them as you know as role models. I mean in other words, very important as adults our adult actions set the stage of the learning environment. So our work environment becomes our learning environment. So core values for us are kindness first. You know we all know Yeah, let's [clears throat] talk right now. We always have to lead with our hearts. But everything we do is based on the student growth and data driven. Um We encourage our every child to improve, do a little bit every day. And then our commitment is also
state state wide collaboration because we want to do it takes a village to do it. So our big goal academic growth We are going to raise it by 25% of students who are below the minimum benchmark so we're going to modify it by minimum of 10%. And then community and family partnerships our goal is to engage that by 25% and increase that by 25%. Does anyone have any questions? Um those are very good questions for Mrs. Thurman. I'm curious to know Mrs. Thurman, what are some of the ideas you have for increasing community and family partnerships? So we talked about our PTO has planned a big family event that we're going to be doing right after school right after school break. And then we're also working with our some of our feeder schools to do
a like tech night. Usually we have a good turnout and we have partnerships down there where our students our students are going to be coming to our school shortly. So we feel good about the working environment. Thank you. Anything else? Any questions by the board? Thank you. On to our action items. A. Consideration to approve budget adjustment requests. Mr. Ecker. Yes. Uh Mr. President members of the board uh Superintendent uh there's a a handful of items which we're presenting today. Um kind of one where we're moving some of the money from uh direct instruction supplies to cover some benefits uh to support student support. Um number 11 is for migrant education. Uh again we're moving some supplies um over to uh cover some benefits and some travel. Uh number 12 is for IDEA B. Uh
we're moving from uh some student support salaries into some instructional other charges. Uh the pre-K B um we're moving some money from support instruction to uh direct instruction salaries. Um and number 15 is a it's an increase for but that is a new allocation that we got for this year is an Indian uh Indian grant which is only this year. And that's about it same same questions. Any questions by the board? >> [clears throat] >> Thank you Mr. Ecker. Is there a motion to approve the budget adjustment requests? Make a motion to approve the budget request. Is there a second? I second that. Mr. Pope. Mr. Pope. Mrs. Johnson. Yes. Mrs. Harris. Yes. Mrs. Crumble. Yes. Mr. Cronus. On to our B. Consideration and appointment of board members to serve on the audit committee and
finance committee through fiscal year 2020. Madam President members of the board these are two statutorily required committees that the board must have. Both designed to help you really help you fulfill your function of financial oversight and accountability responsibilities. Again these are advisory committees all relating to the budget will you know it's still in the purview of the of the full board. So and you know I might have Joe be on standby just in case I I I do I get this wrong but I think I got it. So you know the audit committee again assists with our annual audit and that's a process that now is always I would say seems to be ongoing which is started in July and and typically wraps up in in January February. We're a little delayed this year because
of um because of uh some federal the federal shutdown and whatnot. Um and really the the those two folks are invited to all the audit meetings however right that attending the exit conference is required or it becomes a binding and I know that Mrs. Paez and Mrs. Cameron um served on on that audit committee. Uh the finance subcommittee again um >> [clears throat] >> helps in in in in getting more detailed information about the budget and and planning and our financial statements. Um uh they become your two experts on that and and can support you in in providing additional information or advising on um approval during um a meeting and and gosh I think Mr. Roswell was a member and assist me out with the others. Maybe Mrs. Cameron was a member as well. So
uh Madam President um for both of these we would need a you know uh members board members that would be willing to serve and again maybe this you know they could be the same people on both or or different people doesn't really matter. Um we just need some people who will be willing to serve on that and we'll just need um an action item to um you know approve the board members the the members. And we would so we would need a maximum of two right? Two on So we don't have a quorum. Yes ma'am that's what I'm saying. Two on my side so that's two two on each. And then how often do these subcommittees meet? Joe Um Joe correct me if I'm wrong on this. The audit committee uh we have audit meetings
monthly. Typically starting when? >> [clears throat] >> So uh monthly? Yes Madam President members of the board uh Superintendent The audit committee this year we do not have to because we had already gone out with our RFP but we're doing the audit and when we uh when we did that we had a four year contract. If we didn't have that and we had to back out of our RFP that RFP would start in about March as soon as the office of the state auditor would allow us to go out with our RFP and then there would be the evaluation and those members of the audit committee would be part of that evaluation and they would select the audit for the next three or four years depending upon what the the rules are at the time.
Uh the audit time is usually start we'll have an entrance conference usually in in the May June time frame. Um so that they can do some interim work. Um And that's a meeting that That's the the the board members would also need to attend right? The the entrance conference and the exit conference does have to have a board member in attendance. Okay. You cannot have all the board members because it's not a public meeting. Right maximum of two right? Um and then once the audit starts they meet monthly to get updates on how that audit is going. The finance committee um that can be we can meet as often as you would like. We we've been doing it quarterly in the past. But we can make a judgment for that if you need to. Thank
you Mr. Ecker. Thank you. Did anyone have any questions or want to nominate themselves? I I don't need to serve. You really? Okay. For both or one? For probably I think personally I'm not as detailed [snorts] I I think I'm more of a global thinker. So probably for me the audit committee might be better. I'll do the finance again. Thank you Mr. Crow. I could do the finance subcommittee. I will serve on the audit committee then. Okay. Um, do we have any motion for Mrs. Crumley? I'll make a motion that Mrs. Crumley and Mrs. Paez are on the audit committee and that Mr. Crowe and Mrs. Johnson are on the finance committee. I'll second that motion. Mr. Crowe? Yes, ma'am. Mrs. Johnson? Yes. Mrs. Paez? Yes. Mrs. Crumley? Yes. Mr. Crowe? Yes. Thank you. On
to paragraph C, consideration to adopt adopt academic calendar for school year 2026-2027 for the pre-K program. Mrs. Sweeney. And while Mrs. Sweeney is approaching the podium, so pre-K is a grant and so requires a separate approval of the calendar though I I'm you know laughing at this this does line up very well. Grace Thankfully again with our currently approved calendar. Mrs. Sweeney. Um, good evening President Crumley members of the board Superintendent Waldman. Um, do you guys have copies of the calendar? We can we see it I can give you a copy too. So our calendar we do kind of mirror the K-12 calendar and we're based off There are some things that have to do with pre-K. Our teachers and staff start on the same days and the same days and all vacation days are
the same. One of the differences you'll see is we do we are required to do home visits so we have three days at the beginning of the year for the home visits. We are required to do a welcome day so we do have a welcome day as well. And then we do have every Friday and there's a like on May 19th we also have when we have half days. Pre-K does not have specials where teachers have planning time and so we do have to build in that planning time. They also have to sanitize because three and four year olds put everything in their mouth. And so these days are for their planning time and they also serve as time for our PAs and support staff to help sanitize. We also one differential notice is we
are required to have three parent-teacher conferences so we try to mirror those home conferences as much as possible if we're able and so but you will see a beginning middle and end of year conference. So our total hours we have to meet is 1080 and 30 to do this with this calendar which is 1086 hours so we have some wiggle room with those swing days. Okay. Yeah. Um, if you have any questions we're Questions for the board? How many preschool students are you working with? All right, we'll just check right now. Right now we have all roughly it varies all the time cuz they're coming in and out. We are right at 79 83 something in there cuz we've been moving all our three year olds. Our grant is for 96. With our four year
olds we're down this year our four year olds it's hard to get them to stay because of the attendance piece we do require them to come in and they have to be present you know set those expectations and the grant also requires the attendance piece. So we're at like 179 with our four year olds but our grant does allow 205. Do you have any questions? Thank you. On to Do I have a motion to adopt the academic calendar presented to the board? I make a motion to adopt the academic calendar for the school year 2026-2027 for pre-K program. I'll second that. Thank you. Mr. Crowe? Yes, ma'am. Mrs. Johnson? Yes. Mrs. Paez? >> Yes. Mrs. Crumley? Yes. Mr. Crowe? Yes. On to board announcements and requests for items. Are there any requests for items or
information for our next meeting from the board members? Um, I just want to know when we're going to change this. Thank you Mr. Crowe. I'll have this I think we had already had a conversation about going a little bit later in the spring when it's when the clocks change so it's a little lighter in the evening so I'll make sure that I speak with Mr. Turner and Mr. Turner that gets scheduled. There's only one of our meetings before we have a bigger meeting before the end of the school year. We don't want to be to where you can't make it down there to go back down. Right. But at the end of it it would be probably getting down there and then Okay. Any other requests for items or information for our next meeting? Okay.
The board will be having a work session on March 5th, 2026 to discuss proposed policy updates and the day of the next regular meeting has also been changed and will now be held March 26th, 2026 at 5:30 p.m. Both the work session and the regular meeting will be held here at the Emmett Shockley Administration Building. And and before we adjourn I do want to let the board know in that work session that we have next week in addition to the policy probably going to have an opportunity to touch a little bit on the budget survey the community budget survey results to get a glance at that in addition to give your input on the revision of the strategic plan. So we want to leverage that time to see if we can uh hit three important
things next week. Thank you, Madam President. Understood. Okay. Do I have a motion to adjourn? I'll make that motion. Is there a second? I'll second it. Mr. Crowe? Yes, ma'am. Mrs. Johnson? Yes. Mrs. Paez? Yes. Mrs. Crumley? Yes. Mr. Crowe? Yes. The board we are adjourned. Thank you, everyone.
