good evening i'd like to thank you for attending tonight and just a reminder that per the pa department of health school entities all guests are required to wear a mask while indoors on school property guests with a medical exemption are admitted with a letter from their provider i appreciate that most of you are adhering to that order we're going to call this meeting to order and proceed with policy review of nine so we sent um [Music] revisions that were presented by the board on our last policy and curriculum which is part of the agenda and then a few more edits that are reflecting concerns of the community and board members from our full board meeting and that meeting are reflected there so open another discussion i just want to thank uh you and dennis for

all the work you've done on this trying to put everything together i've been through the process several through the policy several times i keeps getting better every time you do it dr varian um yeah i think the um the changes to some of the type chain corrections to some of the typos and some of the language this the one thing i know we talked about was making it clear that the educational equity committee is serves in a in advisory capacity um and i i guess i i didn't see that specific language in here um make it clear that you know everything it does is really an advisory role to the to the board as i understand it that's what the intention was i think we talked about the last time yes um and we did

add some additional language um the graph that describes the makeup committee under educational equity committee their line um says work on the educational equity action plan and we added subject to board approval and of course there's also the line about reporting to the board on its work and copies of its to the board um and then of course the language where it talks about um present the educational equity action plan to it says propose so you know [Music] means it could be altered it could not be accepted it could be changed has to be accepted by the board uh question four for you um chuck would you feel better if there were some wording in the in that last statement all actions of the committee um shall be approved all for all decisions or actions

of the committee shall be approved by the board how about something they are are followed through on or well let me finish this minute i'm sorry because i that's okay because i know that one of the issues that's out there there's concern about how um the the group uh back in this proceeded and and the board was not a part of its approval process so i'm open to some additional wording in there um i think it's clear the educational equity committee operates you know uh under the board and none of its own but you can add in one of those paragraph in one of those sentences under that educational equity committee to make that even clearer if you wish to make sure it's everything that the committee does primarily the work of that committee will

be the action plan but there could be some effects to that that would happen from time i think it can be clarified fairly easily well i was thinking something along the lines of in that second paragraph where it starts out the educational equity committee i would say the educational equity committee will serve in an advisory capacity to the board and will work to develop an educational equity action plan subject to board approval something along some of them i think again it seems to me the educational committee doesn't have power beyond beyond the board we've made that clear here everything comes back to the board i i would sooner be specific about any any actions or uh public uh info you know or any any documents communications activities right to the public aren't subject to board

approval to putting the energy that kind of specific language because we used the word advisory capacity in the paragraph before for others that work with that committee so i don't want to get as confused about what advisory capacity might mean so i prefer to be more specific here at the last meeting and i listened to her and you know i think she made a good point we need to be as specific as we can to be sure that issues don't develop down the road similar to the kind we had you know in our previous iteration i mean if we say everything all communications and activities are subject to board approval i mean what what sort of is that what sort of process is that setting up then though it would mean that before they would

put something out much like we get most things on um from groups or or st or information we would just look at it and be able to yes we're good with that going forward to the community and that one problem with what happened this spring we did not have a chance to talk about that process with those particular individuals and i think that was not a healthy thing well yeah i mean i agree with that i'm just trying to understand how it's going to work i mean when they want to send out a community are they going to be sending out i have no idea there's no way of knowing basically right in this thing they're particularly empowered to do an action plan and plan will have maybe some aspects of things that will need

to go to the public so when we approve that plan we'll have some idea what's going on but if we have a community or at least members of the community that are concerned about what gets put out on behalf of the school district i think we have a right to expect they'll pass that bias before they put it out into public view it doesn't seem and it's that anything that comes out of the results of the committee has to be detailed and spelled out in the action plan you know that's really the place where that would come from you know the example of going back to even the spring things were shared that were going to occur just wasn't that specific so the detail to which the board wants to approve things that would come

from this committee you know we just kind of be clear what that is identifying with the action plan oh and i think at least in the early go we need to be more vigilant then last so i i'm open to some additional wording i just think the advisory capacity wording is is insufficient so so what was your i'm suggesting an alternative of work that could be put in there and could you what was your suggestion again [Music] all all in other words um that second paragraph i think it could go um the educational equity committee will work to develop an educational equity action plan uh subject to board approval we could put a second sentence in addition all public presentations will you know be applied supported well communications all public presentations whether it be printed

or uh a speaker could i point out that i think what we're trying to do here is usu is not the way we usually do policy which paints things in much broader strokes i i realize the the controversial nature of this means we need to drill down a bit deeper but uh there's still the administrative regulation that would come into play at some point that would flesh out what exactly this means uh in other words a communication would come to the superintendent and then be passed on to the board it could not be you know all those sorts of things would be worked out in in the administrative regulation i would think more than in the policy uh that that lets things be done as they arise as opposed to trying to anticipate all the

complications i agree dr darian but i don't think most of this committee's work be of an emergency or you know sudden kind of thing that has to be taken care of so then at least suggest that maybe we put some wording in here in that paragraph that would end that further guidance will be provided through administrative regulation yeah i have no objection to to even putting in more details such as you suggested i'm just pointing out that all of the possibilities don't always have to be anticipated and put into policy right so yeah any language that makes that clear about the fact that their advisory would be fine with me and i just want to give future boards the opportunity to if you will screens what gets put out because we are a representative of

the community i think that's the responsibility we have i'm actually a little uneasy with micromanaging what should be an administrative responsibility um i certainly agree with serving in a divided capacity to the board um and that their their main charge is to develop this plan and part of that plan may or may not be communication community forum speaker who knows because it's going to be up to the representatives of the community that form this committee um so certainly the plan should be approved by the board but it is our responsibility to get involved in every single thing that happens that for the administrators to take care of we are in charge of policy governance well and again i would just say sometimes drilling down by the governance group makes sense when there has been an

issue with has happened in the past the opportunity down the road to roll that back but um i'm i'm certainly open to a friendly suggestion to make this a fighter here if we have something out there that can work i i just not sure uh it says here well enough that it's an advisory to the board it's not set up so that this is much more connected to the board and our approval then was the previous group that worked that that the the spring items that became controversial you know those sorts of uh requirements of coming to for board approval perhaps would be something that would be built into the action plan as it comes to the board for approval the board could then insist no those communications must come to us before you go

to the public if communicating with the public was part of the plan and maybe we need to wait till then before we start putting the the uh the language in but certainly there's no harm in saying all actions of the committee are subject to board approval and i i just i'm okay as long as we understand that that will be an opportunity for the board to say oh i see there's going to be a seminar or workshop for the public what's happening in that workshop and be able to drill down at that point that certainly seems reasonable when presented with a plan is being proposed to us that we would review that plan and and respond to whatever's in the plan that requires board response is that that would work i mean i guess i

i like the idea of including language that says something to the fact that all actions and communications are subject to board approval i mean i think that sort of memorializes what we're talking about here today i do agree that it can be um it can probably be dealt with in in the context of the when it comes to the board for approval i agree it probably could and i guess the only other thought i i had i'll just throw it out is i know while not typical um i believe there is a mechanism for ars to actually be approved by the board as well um i mean they can be brought to the board for approval so i mean that could be another way of addressing that they absolutely can and i mean it is

an option to say something in there that gives the committee itself once comprised for the first time to propose an ar or standard operating process and it gets down to the details of once this gets together you know an ar can can be one year theory an ar a student handler right it implements the policy gives the ability to implement and annually with the action plan the operating procedure or ar could be a part of that that would kind of allow the board based on that current context of that year to get the level of specificity necessary you know and it just kind of kicks some of it down the road i guess part of the problem but well but again um you know would would that be worth putting in here under that second

paragraph and and ar will be worked on and approved by the board at the recommendation of the committee after yeah right i mean it does give because of the variety stakeholders involved in the committee it does give the opportunity for many people to comment on even when we propose to the board in terms of those offerings because i acknowledge this committee is a bit different committed type of committee than than what we generally have had but i think one that is appropriate and and certainly warranted uh given the subject and and the impact this can have over our entire educational program so i think the community has a certainly needs to have a stake and a voice in this and that's why i like this committee so um do you have proposed language for that

well if we would add in that second paragraph after subject approval by the committee and approved by the board to be reviewed annually with with the plan i think something to that nature would make sense yeah i think that would oh okay then we can drill down in that and have right are we also thinking about adding the language about all actions and communications are subject to more approval you think that's unnecessary and later i think if we have a say in the administrative regulations we'll have an opportunity to put that in there if that's not already okay we would say on approving that all right so everyone's comfortable with that the additional advisory they are operating procedures language okay other comments i i had one i one other comment i guess at the top

of page four where it talks about accountability well i guess sort of a couple places accountability goals and metrics to address inequities and along with that i guess is the next part where it talks about performance observations of administrators faculty and missing considerations of the expectations and goals of this policy so is is the intent here to um well i guess back up clear accountability goals how's that what sort of accountability goals are would be envisioned would you envision you know i mean i i think those goals are simply when you're talking specific to the plan those goals are going to be you know if identified as an area is attendance achievement whatever it might be it's looking for measurable goals accountability goes to me would be measurable goals that's something that the action fund

is going to say that our goal is to improve xyz by this percentage or you know that's really believe what it's trying to say there um and then when you go down to three and should performance observations encompass consideration of expectations with policy now that's baking whatever the action plan is it's it's intending to bake into the performance valuations for staff goals related to the equity action so the clear accountability goals would be i guess goals related to what attendance perhaps by buying achievement some way that you can measure access engagement okay the other thing i would say chuck is if this is indeed to become a focal point of our educational work in this district it ought to have filtered down into our performance options of our administrators as well as our staff to

see that we're doing the job we need to do to ensure that every student gets the resources and is you know encouraged and motivated to fully you know fulfill their capability yeah and once again i suspect that the the the goals the performance objectives whatever you want to call them will first come out of the action plan which is then subject to board approval and the administrative regulation which is also subject to the board approval so so it's all part of that process it's not necessarily something that needs to be specified at the board level or we're in this particular policy at this point right okay i understand uh just a comment too and i'm i do not recall where in the policy the last meeting there was some conversation about that fear that exists

regarding educational equity and the pursuit of educational equity impacting the opportunities for students who are demonstrating mastery with them shouldn't achieve and that seems to be a persistent thing that we hear about um i know there was some conversation i think from dr darion and mr burch i think specifically about whether something should be reflected of that in the purpose it is okay i think it's reflected up there it is also uh reflected later in the policy where the district will continue to high achievement i believe there is a statement to that in the purpose of the policy that just came to us the revised and new policy the the one that cecilia just put out yes that number five under the facility high expectation student all students meaning academic media i just wanted to

call it out because that's a concern that continues to be raised right and we heard that and it's also picked up though again later on i'm not finding it right yeah it was it just we randy and i wanted it in the purpose just so that it would stand out but it was certainly picked up later on right so it's at multiple locations in this policy at this point in time we're not looking at dumbing things down we're taking things away from other comments questions yeah i just had one more i don't know if is this working oh no is this working yes i just had one more comment i made it the last time and i'm just gonna make it again this time and i i think yearly evaluation is just too frequent in

my opinion i would prefer to see the action plan and the superintendent's duty to report back to the board on you know how we're doing on the the goals or the audience to at least be like every two years i just think that that yearly rearing the yearly feedback to me seems overly frequent but we have to report on data to the state every three years not recommending that this be every three years but i i just think yearly is too frequent and then the possibility of maybe the action plan changing drastically from year to year might make it difficult to have maybe more longer term range goals so um again i'd like to see us kind of look at that and maybe bump that out to at least every every two years if that

makes sense i agree with mike's point but um also maybe for the first couple years have it yearly because um you know just considering how long it's uh taken to get this off the ground it might be good at least once it's launched to check back after a year do any fine-tuning and stuff that might be necessary at that time maybe check back after another year and then at that point consider uh like a two-year evaluation on it but um if this is going to be done right i think it should be monitored more closely at first and i i understand that and i don't disagree with that um but since this committee uh that's that's gonna be you know put together with with the public we don't have any idea of how long it's

going to put that together how often they're going to meet what if they are only able to meet twice a year i mean that gives them one meeting to try to put together an action plan i just i think the yearly requirement at least in the beginning seems overly ambitious and it might take some time to actually get the committee together let them you know get a feel for the members and decide their frequency of you know hold their meetings and what they're going to discuss that that might take time or maybe even putting a delay on the action plan initially until we can committee together to at least discuss i don't know that's i i would tend to think that a earlier deadline for a report might you know because at the for the

first year there every whoever's on the committee is gonna oh we got two years to deal with this yeah and then um you know i just think that we might lose some important momentum if we um and i'm just saying at first for the first year to perhaps uh having uh annual reports and then once uh the board is uh happy with with how it's operating then uh it can it can back off a little bit but um i would suggest just for the purpose of the committee i think an annual report makes a lot make sense but an action plan laptop annual because anybody serving on a committee is going to want to be involved and report in more frequently than once every several years you're saying keeping some continuity there i mean the

action plan can't be a multi-year action plan you know with annual reports well and again as i said the last time most long plans have intermediary goals and i think that's worthwhile to report to the board on an annual basis you're not going to rewrite the whole plan much like we don't rewrite a plan except every three years to go to the pennsylvania department of education so i think you know i'm more in the early go let's have some additional reporting and committee begins to see that that's just too much let them interact with us and and talk about that and change the policy wording yeah and the update could be the committee has met a couple of times and they've set a timeline to deliver uh a plan by this point after they have

collected this data from so and so that's supposed to be available since such a time you know so and updates enough of where we are it's not a whole new action plan it's updated manually i think that's the i mean i don't disagree that it me optimistic to get one together you know to get the committee form yeah we gotta they are regulated gotta form the committee they gotta get together they gotta put together a plan they gotta i mean that's gonna take time i think yeah yeah i think the first august but by the time it's realistic to have any kind of substantive report coming back yeah so i think it's going to take i don't have any and it doesn't say what the year is going to be but i would suspect you

know until the start will next start a school year we ought to have some indication what's going on it's not an actual action plan report anything else from the board on policy i i would say this too i i think committee has the potential i i served on as a member of the board on the planning group that finalizing at our next week at our regular board meeting that was presented um at the last meeting and uh well our month ago i'm sorry um think this committee actually can become the vehicle to work that through we won't have to create that committee out of full flock we have a community-based committee now that that plan could be part of what we what they do to pde every three years you know because this action plan

will certainly educational equity action plan will certainly be a part of it anyway so so i think there's a lot of benefit i mean we have nine representatives of the community here and that's certainly important but i think the more we can have a broad-based community participation we are a stronger district and that's my advocacy for this particular edition i just think makes us stronger as a district and more reflective of who we are as a district now that you mentioned i have one other question regarding the proposed um committee man where it talks about uh one faculty member one support staff one custodial staff one coaching staff three students yeah why what was the thought process behind students as opposed to other kind of staff in the district i mean we have other kinds

of you know staff positions and i i guess i was curious yes technically for us as a district i mean essentially everyone either falls into f-93 the teachers association or support staff we really only have three categories that from like a human resource standpoint that we identify um i believe that support staff and that was probably talking more about instructional support but i think that was just the so yeah mostly i think that's what it was entangled but for us support staff from the human resources so would it be like uh do we want to clarify that's like a power or instructional support kind of person and uh and we talk about staff i mean what about uh like uh kitchen or you know the transportation or we have other kinds of staff folks too

um would we want to broaden it i guess and make it you know like one instructional staff and then you know one i don't know what you want to call it so to make the support staff have that say one paraphrasal yeah and then one could be the one because that could be a person from either the custodial uh secretarial yeah group some sort of period right something like that i don't know how you want to what your well you would put those three categories in there secretarial custodial or cafeteria that yeah that was the only other thought i had are those terminologies yeah i think one instructional support staff would be or instructional support yeah i okay i'm satisfied i i just like to comment that uh custodial i don't want to change it

but having a custodial staff would be a great positive they often have contact and observations with kids that uh professionals the uh instructional staff does not i think it still covers it because you could say the same for oh yeah cafeteria staff and secretarial that's true i mean that's those relationships develop but you're right now they they bring a voice that i think is very important in our just look do we want to consider maybe making that seat um maybe splitting that and having more people from those categories in in in that capacity because i i really do do that you know i'm sure what um some of our transportation staff encounter and observe on the job outside our school buildings out of sight of everybody else could be very helpful to this committee yeah

i think you're going to have some trouble recruiting a lot of these people to the committee i think they should be encouraged to provide information but forcing four or five of them to be on the committee might be asking a lot thinking of that number but um just at least somebody representing um part of the district staff well that that for there will be someone representing that part of the staff and uh i i think we can you know could be someone from transportation yet i'm i'm concerned that this committee i mean that is one thing to note but i think if we want enough for the player in here uh and community members and so forth i i think it's a them so one instructional support staff and one non-instructional support yeah that's okay

all right thank you for that anything further from the board on 809 all right i have one community member who opened up to make public comment which is jerry seibert [Music] a couple questions question about something that you had on or about the 809 policy you're talking about culturally responsive teaching that is crt that is critical race theory that's it yeah it's funny al isn't it yeah because everything is very funny shut up al don't take my time up another question i have again are you going to tell the truth this time are you going to lie again a lie about what al you know what you did last meeting what i did last meeting what the pornography okay let's talk about the pornography books the librarian told the student one was taken out and

the other one was in process today was that she said it was unavailable the unavailable was because it was not in circulation okay so you bought the books not to circulate them yeah we just they were not in circulation and we wanted okay we wanted to know who was going to be on the committee to review the book we didn't committee yet because we got the forms back this afternoon and then we'll meet and go from there okay so you're going to choose people that are in the district no i mean the committee says there has to be someone who is a community member it's it's very broad in that regard so dr lee and i talked about it so maybe it could be chief summers or maybe we could get district to turn john

take a look at that material i don't know if uh to see if he could say summers might count as a community member suppose yeah he could yeah he could it could be disseminating pornography to children and also the email that you sent out about the vaccine clinic or the survey and you said it was fda approved fda approved it's emergency use authorization only are you going to read your your survey if any other information were to go out it would have the full definition per what the fda has released yes i mean if any other we were gathering information for a survey to see if there was enough interest um at this point yeah but you're not know if we're going to host you're putting out a survey when you're putting out the wrong

information it is not fda approved they're not signing up for anything it was just it doesn't matter it's better you putting out false information anyone who's signing up would have information from the medical provider not from me they would have it from the medical provider well some parents might not go any further than seeing what you sent out there before they get their child you don't know we would send out again that's that was always a part of the plan is just to gather with the medical provider they asked me to get a round number of how many may be interested they shared from their experience that i would that's interested approximately 50 of those who are interested would actually show up after we send out all the information and schedule appointments for the vaccine

clinic okay at this time we have no plans in stone to hold a vaccine clinic it was simply an interest form for opinions for those who are interested but they there is much more information for them to receive before anyone would receive accidents plenty of doctor facilities around that can do the vaccinations even the uh the cvs or um rite aid so i don't know and why we have to have it in a school is it tied to the s no yes it is you had it up on the screen and it said vaccine clinic look at your your health and safety plan your health and safety plan was developed because of the asser funds correct there is no we would have developed a safety plan either way there is a requirement to have an

approved health and safety plan for us for funds there is no difference in the esser funds if we help hold a vaccine clinic or not there's none but they ask you to do that that was part of it to do that i'm pretty sure they asked for layered strategies and they list a variety that might be included it was on page two of the uh of the health of the planet said vaccine connection between us holding or not holding a vaccine clinic and yes or funding that's not what i my understanding is thank you all right thank you anyone else with any comment on 809 please come mike jennifer kutztown uh while you were talking about the the purpose or whatever i heard a lot of um the board to um approve actions for the

community or activities that's worried about because that'll catch up to you when if it's ridiculous it will catch up to you it's the curriculum it's the things that happen in the classroom that the parents don't see the things that we know about those are the things that you need to know about not just the stuff that everybody sees it's the stuff that we don't get to see on a regular basis thanks thank you anything further i'm going to make a motion to our committee to move this to uh the second reading of our board at its uh beating next slime promotion second that would be second reading and approval correct correct i'll second it we're removing it for second reading at the next full board meeting [Music] opposed all right thank you we'll see that

on the agenda next week and i'll send you the further updates thank you um tonight all right that leaves us with time to address a couple of the other uh policies are on the agenda for tonight um so we have two for review dr lieber do you want to talk to us about that please so yeah you'll recall the beginning of sometime last year we determined that we would work our way through our oldest policies believer it's a little difficult to hear the volume on the let up enough okay that's a little better thank you all right i'll try to speak up so last year we determined that we would work our way through our oldest policies uh and review them and um so this is one that is is reviewed annually and so this

is just an annual review and then the next one is one that functions flash reviewed in 2009 so this naming classifications there's not a whole lot that we would change it's just who we are where we are what our boundaries are what townships etc all right so policy 001 is name and classification of the board which is quite straightforward since the municipalities the purpose is to provide program public education serve the needs of the students assigned to the intermediate unit and the school of the third class which is designated by population any questions or comments on policy 001 as long as we have the same address i think we can move it along yeah the district address if it does state the official district addresses 251 long lane kutztown which is the district administration office

in mexico um would it be helpful maybe to put a website address on this just because it is unofficial documents with our contact information on it sure seems to make sense it doesn't okay 2021 we need one of those qr codes on it but yeah this will do for now okay moving on to functions uh zero zero three uh we should real quick and that we're all good to move that forward with that edit of our web address or next or no we don't have to move it if it doesn't we can right yeah so we'll just mark that one reviewed yep yep okay functions zero zero three a little longer this has to do with local board procedures um sections are legislative executive uh new investor procedures and by our records last time we

looked at this was in september of 2009 so a good reminder of what our local procedures are so i'll give you a moment peruse those sections if everyone had a chance to review that and have any questions or comment i just had one question that at the end it talks about evaluation of board procedures sort of taking place on an annual basis is that something that actually happens it happens fairly informally as we discuss the calendar for the following year you know when you look at what happens in the organization as far as identifying the way the board's going to function that is part of it there's also the official annual review of functions from the organizer all right are they comfortable with marking that reviewed all right is there anything for the board for

this committee this evening anything further from the public all right then i would seek a motion to adjourn thank you everyone see you next week okay i can call the facilities extracurricular committee meeting to order mr burch is unable to attend this evening so i can run the meeting in his absence so the first order of agenda with respect to extracurricular is fall sports season presentation good evening everyone thanks for having me here so with uh this past saturday with the state cross country championships we have officially wrapped up our fallout season so we had a lot of uh a lot of great performances a lot of great memories from this past fall so i just wanted to share with you as uh to do at the end of every season just a quick quick

as our head coach along with joe maurice cuadrado chester matt lawhorn and michael abbahuda as our assistant coaches middle school coaches once again carlton thomas and cameron willis uh this season we finished two and eight uh we've had we had 25 participants at the high school level and 19 school level um i threw in here some uh some interesting team and individual stats here that are kind of pointing to where this program seems to be going uh definitely kinds of directions so we averaged uh 27.5 points per game this year which was for which was uh ninth in the berks conference uh we had 319 total offensive yards which was third in berks county so we averaged 351.9 yards per game which per game average that puts us we have 2768 rushing yards this third

in berks county and name average of 276.8 also keeps us at third in the county in that average in that category uh 751 passing yards for eighth in the conference uh and 75.1 passing yards per game um put us down to 10th in berks county there's some individual stats uh for lennon neiman uh he was number one in berks county this season with 1 758 total yards defense um at 175.8 yards per game that put him number two uh behind nate singleton of governor mifflin governor met with only one regular seating games this year so his per game average was around 200 yards per game he was number two in the conference in rushing with 1 303 yards number 14 in receiving with 455 yards and number two in the county in scoring with 133

points he had 20 rushing touch two receiving touchdowns one defensive touchdown three two point conversions and one extra point this year so some really nice things for uh you know our team and when we're in the video within the program uh postseason recognition uh we have not been given that list of all-stars yet so uh we have that list right now and they have not been released yet yeah back to the conference so as soon as we get that we'll be putting everything we'll have some good names on there from our football program uh boys and girls cross country again kelly neihart our head coach volunteer coach his son josh nihart along with aaron adeline neihart our middle school coach again shelby brett the boys this year finished nine and six five and two in

the league which put us at third in berks division two and the girls finished two and one league and seventh in berks division two we had 19 participants at the high school 11 boys and six girls and six participants at school four boys and two girls some of our highlights this year jack hornfind finished fifth in the berks county championships zach that uh gives him a berks county uh all county recognition he finished ninth in the district 3a championships which qualified him for and finished 63rd in the state championship race this past saturday ryland evenr uh finished 12. well i'm sorry uh before we go into that so he was uh he was recognized as burke's all division two first performance in the berks county championship race he'd been involved at the district three championships

and qualified for the state championships where he finished 99th just this saturday in ashman uh was an all division honorable mention in berks county he finished 13th at the dis championships and also qualified for states where he finished 156 and phoenix kellogg was 18th at the district 3 championships he was uh he qualified for the state uh championship race as well finished 135th and jake justice justin was uh uh received honorable mention for berks county all division for his performance in the uh berks county championship race and on a bit sophie arnold was a district three double a qualifier along with lilly asked won a district three double a qualify sophie is a senior this year uh a little sophomore a lot of promise so we expect some good things from uh from lilly moving

forward into her junior and senior years here and uh we usually include information don't have all the financial information right now uh until then transportation i haven't received any invoices yet this year for our transportation costs for the fall so that's a sizable piece of that probably comes out to about 40 percent of the total cost of so that's going to throw off the numbers considerably without that information in there so as soon as i get the recipient i can update the with that info as soon as i get that but as far as all the other information very very proud of all of our coaches and student athletes this fall and uh this is definitely some great performances by by our seniors and good performances by underclassmen and we look forward to many great

things to come thank you mr yapsuka um am i correct we had zero games impacted like cancelled because of cover this year correct i'm just certainly not but and um i don't even think anything on the other end as well yeah i knew from our end i guess it wasn't true on the other end we didn't have any games where we had that much creation where we had to which is a success right yep yeah so it's very successful as well when our kids got to play full seasons 18 games in soccer 10 games in football 18 in the field hockey so yeah they've got their opportunities they made the most of it fantastic any any questions mr absouga that's all i have on the agenda that's all for extracurricular that's all we have okay

thank you very much we can move to facilities now i have three items on the agenda the first photography and switchgear cleaning quotes yes did you share those things i sent over so i had sent out rfqs to six vendors after verifying that perform the work uh all all vendors were provided the latest drawings that i had provided to me and i encouraged vendors to come and do sites we had two vendors do site inspections cm high and reading electric we had quotes back from three three vendors also chose not to quote uh cm high was 23 100. reading electric was 26 585. which that was an updated quote they had originally gave us a quote uh was when we started this process but there was an updated price because that was only hold for

uh 30 days and then uh defender for was 62 so they uh quite a bit quite a bit more than the other vendors i would be comfortable with getting electric has done a lot in our district but i would be comfortable with cm high doing this project the reading electrics price book it went up went up it went up and there's also their hubs for some other they're due they do the thermal in house but they do the uh they farm out the switchgear cleaning richard could you just explain to me what what is thermody and switchgear cleaning thermography is uh infrared photos of the electrical panels and basically it goes through that showing any connections any you know preventive maintenance on that and the switchgear cleaning is actually clean like taking the panels apart

and actually vacuuming brushing off taking all the dirt removing all those so that's throughout the all the districts all the panels and several i don't have an exact number of how many panels so it's like a maintenance thing right to have good connections and then probably efficiency too yes okay thank you so if they find issues that's all on top of these quotes there will be you know again they do a tightening of you know they'll go through and tighten all the pictures but again any other major things that they find yes that'll be on in addition to so they tighten this part of it but that's yes okay they're doing it on the uh you're doing it on a weekend are you doing it on summer time or this will have to be when

the building is shut down so we're looking at windows of uh obviously we have some around thanksgiving we have some days around christmas and then it just keeps moving of when we can coordinate it and that has to be with all departments you know because again that'll have to be coordinated with i.t make sure we don't have anything down there we'll have to figure out what we want to do from ups backup how long to be down generators how that'll all work into the play a lot of people involved in that this this has never been done to my knowledge right but moving as part of the maintenance plan is there a recommended frequency for doing this again it's it's like cleaning anything it's like how how dirty is the environment around it so you

know again i'm sure they could recommend three to five years and be comfortable with that but again we have never it's as far as i know it's never been done and again it was exposed kind of this year outside vendors coming in and doing the part of construction that uh they had recommended it and actually that vendor did not quote it so it's interesting it was one of the workers there wasn't a manager but he's the one who actually recommended it to us cm high is another they have not they've done other work in the county and i said the first two cm high and reading electric are are both the vendors who actually came to look at the facility so based on your recommendation you would say we're looking for a motion to move

that to the full board i'll make that motion motion a second i guess i guess some other question i have reached is the timing is such that you want we want you want to do it you want to do this november december you don't want to wait there's no cost advantage to wait till the summer or scheduling advantage to wait till the summer time to make it easier i mean i think between christmas we have you know the school has a lot of days that are not uh you know in that the normal you know uh vendors are still working do a lot of that scheduled maintenance during that time frame christmas christmas okay but again i don't need to speak 100 percent with uh all departments or that doesn't affect any of our athletics

and all that okay so motion a second any other board members fearing that maybe a show of hands to put on the next meeting agenda so it's like we can move that forward next agenda item is the band cabinet updates cabinets yeah so remember this was part this was included originally in the esco project for mcclure that cost they had given to us was 127 thousand and uh that was rejected and said that we'd look to hold off on that and look at alternatives dr ritter we did reach out to bctc and finally got an answer back from them and they basically said that the project's a little bit larger and could not fit in their time frame for what they had i was a estimate from cn eichenlaub for and this was not details

for 85 000 for this project the lead times is what they're hesitant on as far as getting anything accomplished you know from the orders and and back uh and then i had i reached out to another ven missing woodworking and uh he came in at the project and i'm waiting for a quote back from him so again this is just an update of where we stand with this project uh if we do move forward this would be a summertime project that i would recommend to do during the summer do you have when you have to make a decision by to be able to execute in the summer hike and lob is roughly they feel they're four to six months out from a project as what they've felt over this past summer about how far every

so he was saying you know potentially you know you don't want to wait too much into february the other questions i think it shows we were wise taking it out of the project yeah roughly you know again and we could potentially uh save some additional money off the eichenlab quote if we did the demolition ourselves uh so we can you know save a little bit there they didn't give me exact number right but we could save save some again hopefully again with wood doesn't go up as always when the order is at you know place we found this on a couple a couple small things that we've been working on that if you hold get a quote and then you go and actually place the order when you have that po written and the number

you know comes a little bit different depending on the size of the comp and what other products involved why i'm missing woodworking i said came to look at it and hopefully we'll have something back from them later this week and hopefully hopefully uh some of the supply chain problems we're facing and have been facing will ease a bit into the new year and lumber prices won't get worse and maybe get better yeah uh ikenlob talked about supply chain uh wyatt missing woodworking says that they are swamped just with they have more work than they can do you know do right now i think the issue too that we had with that initial quote was we couldn't even get a sample of what they were going to make the cabinets our biggest concern is we had

no idea like what these things were going to be made out of now the company that they were going to order from seemed like a reputable company online when i went through their website but still local like they'll be able to tell us exactly what they're going to make the cabinets out of so it seems like a win either way and hopefully it'll be good for next the start of next school year thanks richard yeah dustin shirk just the winger that heiken lob is is recommending uh he said there's several schools within berks county that we can go and physically look at these same cabinets uh you know so if anybody's interested in that uh again why are missing woodworking i ask them to actually produce when they finally get a number that we can

bring and show thanks i think the last item i see on the gender then is tennis court update uh so we started this project uh right after the season ended uh we have the fence currently removed the light poles have been sandblasted and now they finished painting those this afternoon unfortunately when the fence was being removed we exposed the drain that we were was there around only a of the uh tennis courts so today i met with tom brennaman uh of the brennaman company and he was saying that that drain should be around at least uh half of the perimeter not you know again the exterior of the drain so we don't get any more underneath and produce more cracks he also uh is going to do a recommendation uh after seeing some additional cracks

that we have uh of some of the other to his original quote on that project uh he's gonna through yapsuga on that and then also as we're redoing this uh just looking at adding a potential shade uh awning in between the two courts for that the uh teams could sit down underneath basically you know umbrella whatever so i'm working on getting some updated quotes on that i have a customers that i'm meeting with so is the schedule to um but what does the fence get installed in the is it springtime now we pushed too into the winter the the defense to be reinstalled can be done they've told me uh 365 days a year it does not from their side uh it's really going to go back to what the brennaman company and how their

approach to get it done he said he can do it either way we need to get kyle kohler in to do that landscaping prior to the fence being put back up okay the other questions so will the discovery of that drain impact the timing like what that should not i've also approached kyle uh to do that project since he's you know that kind of it ties in landscaping project and if he cannot do it i will go out and get you know additional quotes if that quote comes in higher than our threshold there is a temperature concern for the court resurfacing right you can only do that yes i don't know what the ambient has to be above is it freezing or i believe it was what they basically do so if i understand it

correctly is flood the courts with x amount of gallons of water on a with you know very little wind at a certain temperature and let that evaporation rig and that gives them their their holes and where they have to grind other questions so at this point there's no concerns about not being ready for the spring at an outside temperature and you know again that's what was my meeting today that's the first i had met with him since mr yabsouga is a written one who actually did that that portion of it and i thought he should be tied into this project you know a little bit more because we had a again with that drill and a couple small produced on the exterior surface i just wanted him come and look and see some cracks that

he feel that were or a little bit larger than he anticipated not on behalf of what we had gone through since he had originally looked at everything anything else richard no anyone from the public comment anyone online dr meyers just one thing in the update it's very simple but we had um months ago back in the spring i think we were looking at putting aside a walkway in um near the stockton creature students walking to clifton elementary school and that was denied because it's in the floodplain we all just kind of met up and take notice when you're in that front parking lot equipment through school nearest the stock me you see instead we just blocked it off with cones painted walkways it seems to be serving them as well rather than putting it aside

easier solution after we had the denial yes and we feel we can improve that go a little bit further to knock down the curb so there's no step there uh we have for this somebody who did our uh always safe sidewalks that cut the ada stuff down they gave us a rough estimate of to cut two ramps in roughly a thousand dollars i'm waiting for uh doug sanders who's done who actually was originally given the uh they awarded the bid for that project to do the sidewalk i've given him the option to kind of come in there and redo those curbs to see what the cost difference is for that and then we could potentially do some pavers so it would definitely be uh you know we wouldn't get involved in permits for that project

and accomplish with what we're doing just in a little bit different manner yeah families have been that walk away now for just two weeks and it seems to serve the purpose instead of having to cross paths with the drop off the bus bustling in the morning thanks richard so one other topic sure was there any update on the detectors that you were looking at bathrooms with regards to the vaping yes i i met with that vendor uh we gave plans for the high school uh of all the bathrooms and they are currently work a quote for us did you feel comfortable with that technology yeah the technology the technology works well um speaking with the principal of high school two years ago it's just they uh they have they have great success with technology's response

to it you know that where you're gonna have principles kind of running down to the bathroom every time text that there's a notification and if they initially put them in you notify the students a few students end up getting caught unfortunately and then tends to disappear yeah as soon as i get that quote i'll share that with mr tim chattan and go from there uh they said the one facilities director that spoke to me is that they only put one in one bathroom so they had used that and and caught some that was the kavasi king there that was one piece that i don't think you and i spoke about um even when we met with the vendor they were saying that coverage 1200 square feet some of our restrooms are larger than that the

vendor was saying they didn't necessarily think we needed additional um the high school principal said that they put additional in those larger bathrooms because they felt the coverage was not enough so that's just something we'll want to talk to the vendor about uh i measured all bathroom school physically measured them so i could give them you know exact sizes and then they're going to base their quote on what their records were at this point are we looking only at the high school or we've not had problems at the middle school at this point i hope we haven't no i'm um we are only focusing right now just for that initial quote and then we can at least you know judge of where we are and if we want to move obviously go any further with

that that cost should be you know comparative on per building i are a per yeah per building but also i asked them to give an itemized list of what it would cost per bathroom so we can maybe you know we know this particular bathroom is trouble we can you know pull the other ones out or look at that cost any other questions yeah i just had one one last question any outstanding items from the construction this summer like roofing i saw the auditorium about three weeks ago maybe four weeks ago and the chairs were in there which is cool i just i'm not sure like how far we are with the first event took place in the auditorium last month the entire high school student body was there for violence hope um the auditorium and

richard correct me from wrong is essentially finished there was some trim i think around the bottom of the walls i think needed to be finished and that was about it are there any other items the auditoriums are still outstanding so our uh our flexible seating that we had for the lga they just came in actually from uh our secretary did not accept the box because it said you know made in china just a little a little concerned but that that box literally two boxes right uh that'll give us uh that and then they'll build bases these are basically the same chairs that are in the lgi currently but allow us to take up some flex space so we can move them uh also the the two front row of the auditorium seating is not in

due there some handicapped seating and we were going to try to look at how we use that after the first event uh again we have to uh kind of adjusted to what the new code what it was before uh and the options that were given to us by husty seating the carpet is most likely going to be replaced christmas the shading was uh or actually the the coloring was off from side to side so when they left-wise it was fine but when they're in strips you can actually see the coloring so that's going to be redone along with uh on the cove base around the edge which is not currently in so the auditorium pretty much uh from that standpoint is done the roofs were just inspected last tuesday wednesday by carlisle themselves uh they

send an inspector error i have not gotten the report on that yet that was again through mcclure uh we're still with all the chillers up and running which again now we don't need you know for the season we have the rooftop units that are all installed the elevator is now complete which had been done waiting for we have the permit back we have dutchman i believe coming out soon for the building hopefully we can get that done before you know any snow hits the ground and have a building yes the building permit is is done uh we still don't have the basketball court what was the resolution how many feet checked from the certain number of feet away they wouldn't tell us an exact so we chose five and they accepted it but literally there

were guidance there the basketball court we got over and they said we did not have to apply for land development so that now is back to that we have to do a storm water management program for that and mcclure engineer gaywood is still working on that we have pretty good assurance that once that's completed we'll see if that's the time to spring time probably yeah last year and i don't know where we are on the list with uh uh folk paving i know this year when we were attempting the greenhouse it was december 9th was the date that uh the asphalt plant shut down so they had stopped that and we were you know on the call list and said we were the first ones for the spring which pretty good did you say d17

and d18 are done they're they're functioning but they're still the flexible seating so that's the seating you're talking about that yes there was 12 additional exactly the same chairs we're just putting them on a skid so we can actually around exact same as their was and after we saw their sample we said you know that's an ideal seat because we can actually increase that area they've been using quite some time the tables are in and they are where they ended up going with was a lost seating okay yeah when i saw that i thought it was i just missed it this if if they mentioned it but they actually have some left-handed like setups as well which i didn't even think about but how normal desks always had the best come out on the right

side they actually have some that come out on the left side which is which is pretty nice it looks the flex area looks really good yeah hussy see they do a number of left handed to those arrows used as well as the handicapping throughout the uh auditorium there's a certain amount of seats that exercise have the arm that lifts up out of the way different then and then there's also removable seats as well planning to go forward with having the holiday car in the auditorium so there's some health and safety planning that but um we're working working through those details here in this week anything else not look for a motion to adjourn all in favor say aye aye any opposed eating adjourned
